<itunes:summary>Download 17 Free File Exchange Services |Winnipeg, Canada, March 25, 2008: Working with online volunteers usually involves the exchange of files, often exceeding e-mail attachment limits. With limited financial resources, how then can a non-profit organization successfully work with their Internet-based volunteers? Due to an ever expanding list of free Web-based file transfer services, one of which allows a whopping two gigabyte (GB) file upload limit along with an amazing 50 gigabytes (GB) of storage, large video or graphic files can now be easily exchanged between a virtual volunteer and a non-profit organization. With the assistance of virtual volunteers, Macdonald Youth Services' (MYS) Online Volunteer Program Developer Randy Tyler released today a detailed listing of 17 free Web-based file exchange services. For each file transfer service, the name, Web address, maximum file upload size, monthly transfer limit, maximum storage, allowable file storage time and user requirements have been provided.

"Over most of my 10 years working with our virtual volunteers, I have exchanged files via FTP or used an application installed on our site where I created separate accounts for uploads via a browser," stated Randy Tyler. "Now I am using the free Web-based file transfer services more, especially the free services that allow 100 to 300 MB anonymous file uploads, which allow a file to be quickly transferred to one of our online volunteers," added Tyler.

MYS extends their thanks to Augustus Lo, Kayce Mickelson and Charles Franklin for their extensive assistance in the development of this list of free file exchange services. The nine page document containing the list of the 17 free file exchange services can be downloaded as a PDF file from the links above:

<itunes:summary>Download Virginia Dakiniewich Interview Close to four years ago, virtual volunteer Virginia Dakiniewich had noticed an online volunteer opportunity posted on Charity Village. Interested in this Internet-based volunteer research assistant position, the Saskatoon resident e-mailed Macdonald Youth Services (MYS) in Winnipeg, about 450 miles away. However, after she submitted her online volunteer application, it wasn't long before MYS realized the myriad of new media skills she possessed.

"Virginia's skillset and knowledge base allowed her to produce a remarkable Flash-based agency overview as well as design our extensive annual report", stated MYS Online Volunteer Program Developer, Randy Tyler. "Dakiniewich's case illustrates the importance of gathering the appropriate information at the outset to facilitate matching the virtual volunteer's qualifications with an online volunteer position a non-profit either has available or is willing to create to enable such a match.

To learn more about Dakiniewich's online volunteer experience, MYS's South Dakota-based online volunteer audio producer's podcast interview can be downloaded now from "About Online volunteering - Information Non-Profit Organizations Can Use", which can be accessed from the links at the top of this post.

<itunes:summary>Download FLV Video Download iPod Video Winnipeg, Canada, February 16, 2008: Macdonald Youth Services (MYS) released a video about "The Global Directory of Web Sites that List Online Volunteer Opportunities". This unique global directory, which was officially launched by MYS in November 2007, allows any non-profit organization to easily find Web sites to list their Internet-based volunteer opportunities. All Web sites listed in the directory provide the name of the Web site, the site's URL, who is eligible to list online volunteer opportunities, the geographic area the Web site serves and if any costs are involved.

"The global directory was developed by MYS to allow any non-profit organization to easily locate Web sites where they can post their volunteer opportunities that can be performed via the Internet," stated MYS's pioneering Online Volunteering Program Developer, Randy Tyler. "This video will help to clarify that our directory does not list online volunteer opportunities but is a unique global recruitment resource for a non-profit organization asking: 'Where can we list our online volunteer opportunities for potential volunteers to see them?'," added Tyler.

"Making this information accessible for the benefit of non-profits and charities around the world will exponentially expand the impact of so many who wish to make the world a better place," commented Stock20 Owner/Producer, Daniel Rudd. "Stock20 is happy to partner with MYS by providing our music for their audio and video projects," continued Rudd.

MYS extends their thanks to online volunteers Gail Drinnan (Alberta, Canada) and and Chuck Brown (Ohio, USA) for their assistance in creating the video.

<itunes:summary>Download Tu Loan St-Cyr Interview Winnipeg, Canada, February 1, 2008 -- After nearly seven years of online volunteering for a charitable organization 1200 miles away, Toronto area resident, Tu Loan St-Cyr, is taking a leave of absence from a charitable organization she has never seen. St-Cyr, who began Internet-based volunteering with Winnipeg-based charitable organization Macdonald Youth Services (MYS) in 2001, clearly demonstrates that an online volunteer can be retained for years if appropriately screened, assigned and recognized, even though the non-profit has never met the volunteer face-to-face.

"Never one to shy away from a challenge, Tu Loan is a dedicated, creative and reliable virtual volunteer, stated MYS Online Volunteer Program Developer," Randy Tyler. "For any non-profit organization, retaining Internet-based volunteers, like St-Cyr, is much more efficient and effective than frequently attempting to recruit new volunteers," added Tyler.

"I would like to share with you some great news and in turn inform you that I will be taking a leave of absence from MYS for a year commencing December of this year [2007]", stated St-Cyr in an e-mail to Tyler. "I will be taking a year off my regular job and would like to also take a leave of absence from MYS to concentrate on our newborn," continued St-Cyr.

<itunes:summary>Download Kibben Miller Interview Winnipeg, Canada, December 19, 2007: It was 2004 when Detroit-based Kibben Miller came across an Internet-based volunteer opportunity that he saw as a perfect fit for both his lifestyle and skill set as a video editor. Although Miller was initially somewhat skeptical of whether or not the Internet could be used as an effective collaboration tool for video production, he soon proved otherwise. In his first production, he successfully co-ordinated and worked with three other online volunteers he had never met. And these four strangers, who were dispersed throughout North America, collaborated to produce a compelling Video for Canadian charitable organization Macdonald Youth Services (MYS), which aired on local television.

And after three years of successfully navigating cyberspace as an MYS Internet-based volunteer, Miller has some inspiring words for anyone considering online volunteering:

" ... regardless of what they think they can offer or they can't offer, there is going to be an organization that will welcome your work," said Miller. "You don't have to have extraordinary computer skills and an elaborate setup to make a real significant contribution to the organization ...," Miller added.

"Whether from the Eastern US in Detroit or on the other end of the country in Portland connected via a coffee shop's wireless Internet connection, Kibben has been there for us," stated MYS Online Volunteer Program Developer Randy Tyler. "Methodical, experienced and creative, he has been an invaluable resource both as a video editor/producer and consultant," added Tyler.

To learn more about how Kibben's reasons for online volunteering, the rewards and what has helped keep him involved for three years, MYS South Dakota-based online volunteer audio producer John Small interviewed Kibben. To listen to or to download the approximate nine minute interview (which was recorded on both ends and mixed in post production), please see the links above.

<itunes:summary>Download Interview - Becky Heaman In the fall of 2006, Becky Heaman of Calgary (Canada) had sold her house, quit her job and set out on a working European vacation of her lifetime. After establishing Dublin, Ireland as her home base, Heaman sought out a volunteer opportunity to help her get connected with her new surroundings. In her quest to find a local volunteer opportunity, she did a search on a Volunteer Ireland Web site. To her surprise, the search popped up an online volunteer opportunity (something she had not done before) with a Canadian charitable organization, Macdonald Youth Services (MYS), based in Winnipeg.

"I am over here in Dublin, Ireland. I was trying to find a way to get connected and volunteer here, because that is something I had done at home in Calgary, and in the search I found ... Volunteer Dublin, Volunteer Ireland and they (the Canadian charity) were listed as one of the opportunities," stated Heaman. "And because it was online, it didn't matter that I was over here in Ireland and it was kind of interesting for me to be able to find a way to still stay connected to Canada," added Heaman.

"Becky demonstrated the power of Internet technology and laptop computing,"commented MYS Online Volunteer Program Developer Randy Tyler. "Selfless in sharing her precious vacation time with MYS, Becky would take her laptop on the road with her to work on a volunteer project and aim to connect with me via an Internet cafe from any place in Europe her travel took her," continued Tyler.

To learn about Becky's online volunteer involvement with Macdonald Youth Services as she toured from Ireland to Russia to Iceland, MYS South Dakota-based online volunteer audio producer John Small interviewed Becky at two time periods. This unique global directory, which is organized by country, will allow any non-profit organization to easily find Web sites to list their Internet-based volunteer opportunities. All Web sites listed in the directory provide the name of the Web site, the site's URL, who is eligible to list online volunteers, the geographic area the Web site serves and if any costs are involved to list.

"This global directory has been designed to remain current and comprehensive as new listings or modifications to current listings can be conveniently submitted via a linked form", stated MYS's pioneering online volunteer program developer, Randy Tyler, who (along with online volunteers) created the global directory as part of the multimedia "how to" publication about online volunteering he is currently developing. "And the directory's RSS feed, which has an e-mail-based subscription option, will enable any user to easily stay abreast of any changes to the directory", added Tyler.

MYS's global directory uses an easy to install and configure Perl-based application called "Listings Manager", which was programmed and donated by Interactive Tools of Vancouver, Canada.

MYS extends their thanks to the following online volunteers who have assisted in the development of this global directory: Kristin Wilson (Ontario), initial research, resource verification and directory compilation; Augustus Lo (North Point, Hong Kong), html coding; Tu Loan St-Cyr (Ontario, Canada), follow-up research, input verification and code validation; and Chuck Brown (Ohio, US), global directory audio PSA.

<itunes:summary>Download Using Testimonials in Recruitment Download Using Testimonials in Recruitment Yes, your online volunteers can communicate their support for your organization in a written testimonial. But allowing your Internet-based volunteers to communicate the rewards and benefits of volunteering online with your non-profit organization in an audio or video message can have more impact. For example, audio and video testimonials are more personal, and through identification, enable the potential virtual volunteer to more easily envision themselves performing a similar online volunteer role.
Current Technology Allows Your Online Volunteers to Easily Create Audio or Video Testimonials as Part of Your Online Volunteer Recruitment Strategy
Testimonials, mostly text-based, have long been used as part of a non-profit organization's volunteer recruitment strategy. In the not-so-distant past, if a non-profit was fortunate enough to have the resources, a third party (such as a production house) may have produced an audio or video testimonial-based volunteer recruitment message. Today, however, technology is available, at the consumer level, that will allow high-quality audio and video to be easily produced that would have been prohibitive to purchase only a few years ago. And a number of these consumers who have access to the equipment, software and skills to produce such testimonials, are your online volunteers.
How to Create Your Audio or Video Testimonial-Based Online Volunteer Recruitment Message
First, decide whether you want your online volunteers to produce audio or video testimonials, and whether you will use the audio (or video) testimonials alone or as part of a combined video recruitment message.

From your list of (productive and satisfied) Internet volunteers, aim to generate a diverse group (e.g.., age, race, gender, roles performed) that have the skills, knowledge, software and equipment (or access to equipment) to produce either an audio or video testimonial.

Send a personalized invitation, either via e-mail, audio message, video message, VoIP (e.g., Skype), to each online volunteer that outlines the purpose of the testimonial (e.g., an invitation to provide a testimonial can be seen as both a form of recognition and as a tool to assist you in your online volunteer recruitment efforts), where you plan to use their testimonial, how you plan to use and for what duration (and a statement that articulates the submission of a testimonial indicates their authorization to use as you have described). Contingent upon your organizational culture and/or other concerns, a formal release form may be indicated. Guidelines for producing the (audio or video) testimonial should also be included.

General content guidelines should enable a range of benefits and rewards to be revealed in your online volunteers' testimonials; on the other hand, to ensure consistent quality, audio and video production guidelines should allow less latitude. For example, audio for further editing (e.g., to be included in a video) should be provided to you as an uncompressed wav or aif file, whereas an audio testimonial that will not be further edited or used in a video can be provided to you as an mp3 file (using final output parameters such as: mp3 format at 64 kbps, 44 kHz, 16 bit, mono).

Creating an acceptable audio quality message can be achieved with minimal equipment and software: a USB-based headset (approximately $50.00) and an audio editing application (such as the free/open source Audacity) are all that is required. In the same context, a video testimonial (that will be used alone) can be produced with a USB-based Web camera using the capture software that usually comes with the Web camera, or a Web-based service where desktop installed capture software is not required.

A video testimonial, with higher production quality, can be easily created using one of the many suitable digital camcorders available today (the newer camcorders h</itunes:summary>

Although voice e-mail, video mail and video conferencing can provide enhanced forms of communication, a non-profit organization should also provide a Web-based instant messaging tool to allow easy communication with any of their online volunteers or potential Internet-based volunteers. One such free (text-based) instant messaging service (Meebo is a similar service) that a non-profit organization can place on their Web site to enable easy, real time chat with their virtual volunteers is called Plugoo.

To download a six page guide that articulates how to use Plugoo's free Web-based Instant Messaging service within your online volunteer program, which also includes 10 reasons a non-profit organization should use Plugoo’s free instant messaging service to coomunicate with their online volunteers, please see the download link at the top of this entry.

<itunes:summary>Download How to Use iTunes as a Podcatcher Winnipeg, Canada, October 29, 2007: Macdonald Youth Services (MYS) announces the release of an iTunes instructional video entitled "How to Subscribe to and Play Podcasts Using Apple's iTunes". Podcasts, which are downloadable audio or video files, are a productive way to learn about trends and issues that impact online volunteering within non-profit organizations.  iTunes, the dominant free podcatcher available for both Windows or Macs, allows the non-profit user to easily subscribe to a podcast publisher's feed and then have the episodes delivered automatically to their desktop-based podcatcher (iTunes) where they can be played when released.

"Whether the consideration or concern is, for example, Internet security or the use of an application, free podcasts are available to assist a non-profit organization develop their online volunteer program", stated MYS's Online Volunteer Program Developer Randy Tyler.

As part of the best practices multimedia publication about Online Volunteering that Randy Tyler is currently developing, many how-to videos have (and are) being produced. In this context, MYS’s Ireland-based online volunteer, Becky Heaman, recently produced the iTunes instructional video, which shows how to download and install Apple's free  iTunes podcatcher, configure, subscribe to a podcast feed and play a podcast within iTunes.

To accommodate various users, the 24 minute “"How to Subscribe to and Play Podcasts Using Apple's iTunes” video is available in the following formats: Flash, Windows Media Video, AVI, and MPEG-4. To choose your preferred download option, please visit the URL below, now:

MYS extends their thanks to Ireland-based online volunteer Becky Heaman for producing the video and to Alberta-based online volunteer Gail Drinnan for video distribution.

This Online Volunteering Web resource and podcast shares MYS's successes in working with online volunteers from around the globe over the last nine years, provides information about relevant technological resources, applications and changes that may assist other non-profit and charitable organizations in the development of their Online Volunteer Program and through podcast interviews with their online volunteers, addresses for example, how their Internet-based volunteers got involved, what motivates them to stay involved and what type of tasks they perform.

"We hope that through sharing our successes and best practices other non profit organizations will be inspired to try online volunteering as an alternative and proven method to address some of their volunteer needs", stated MYS's pioneering online volunteer program developer, Randy Tyler, who (along with online volunteers) developed the Web resource and podcast.

The About Online Volunteering Web resource and Podcast uses the free (open source) and highly extensible WordPress blog to share information along with the PodPress plug-in to publish podcast episodes. For a subscribing convenience, two different RSS Feeds have been provided. If it’s been a while since you’ve sat in front of your computer, used a new application, and said, “Now, that’s pretty cool,” then check out Eyejot.

Eyejot is an easy-to-use online video messaging service that takes e-mail to the next level of communication.
Creating Video Mail is Easy with Eyejot
It’s this simple. Open your web browser. Go to http://www.eyejot.com/. Click on Messages in the top navigation bar. Click Compose New Message. Press Record. Look into your webcam and talk about whatever it is you want to say for up to a minute. Press Stop. Enter one or more recipient e-mail addresses and press Send. That’s how easy it is to send a video message through Eyejot. For free. There’s no software to download and install, no cutting and pasting, and almost no typing at all! The person who receives the message can see your face, your expression, hear your tone of voice—really understand what you’re trying to say—just as if you were there in the room talking face-to-face. And that’s the key to what makes Eyejot a great tool for a non-profit’s online volunteer programs.
Video E-mail: Bringing Online Communication to the Next Level with Your Online Volunteers
When your volunteers are located far from you and each other, developing a sense of camaraderie and purpose can be challenging. Studies prove that the most important factor in human communication is body language and visual cues. Approximately 60 percent of the information we get from face-to-face communication is visual. About 30 percent is tone and inflection of voice. The remainder, less than 10 percent, is the meaning of the actual words being said. A lack of visual cues makes communicating true intent and meaning more difficult. That’s the problem with e-mail and instant messaging. Both can be misconstrued regarding tone, emotion, and energy. That’s why so many people use emoticons to try to make clear the intent of their comments in an e-mail, usually not very successfully.

Video messages through Eyejot allow you to communicate the emotional intent of your message because the recipient can see your face and movements, which convey so much of the real meaning of your message. You are there—virtually, of course—presenting yourself and what you want to say, taking advantage of the most natural and effective way humans communicate. And you appear on screen when and where the recipient chooses, as opposed to video chat or online messaging, which require the participants to be online at the same time.
Ways you Can Use Video Mail Within Your Online Volunteer Program
So, how can a non-profit's online volunteer program benefit from video messages using Eyejot? Here are a few ideas:

A potential online volunteer could send a video resume or video “cover letter” to introduce himself or herself, which would help the organization screen volunteers
The non-profit could use an Eyejot introductory video message to invite someone to volunteer or welcome a new volunteer
Through the non-profit’s blog or web site, using the Eyejot widget, which will be described below, potential volunteers can ask questions before committing their time and efforts.
The non-profit’s Executive Director, Board President, or Volunteer Co-ordinator could create and send Eyejot messages to thank volunteers for their involvement, efforts, and achievements in the organization’s projects.
And, of course, online volunteers and non-profit personnel could use Eyejot messages to collaborate more effectively on a project.

Setting Up an Eyejot Account is Free and Easy
As you’ve seen, sending an Eyejot is about as easy as sending a plain old text e-mail. Now, let’s take a look at the specifics of using Eyejot’s free level of service. You can’t beat free, especially when you’re a non-profit, right?

There are certain situations where text-based e-mail is not as effective or efficient as voice e-mail in conveying a message to your Internet-based volunteers.

"I often use voice e-mail to communicate with our online volunteers", commented Macdonald Youth Services' (MYS) Online Volunteer Program Developer, Randy Tyler. "Not only is voice e-mail an efficient method to communicate or clarify an online volunteer assignment, it is a powerful way to personally recognize an online volunteer's efforts and results", added Tyler.
Why Use Voice E-Mail? Some Advantages

Efficient: Considering the same amount of content, a voice message can be recorded and mailed much easier and faster than typing a test-based e-mail message.
Personal: Voice mail with its ability to convey one's emotions (versus emoticons), is more personal and intimate than text-based e-mail.
Inclusive: For people with a disability that makes typing difficult, voice e-mail is enabling.
Ergonomic: Sending voice mail may help reduce one's risk of developing a repetitive strain injury (RSI) from typing.

Considerations in Selecting a Desktop-Based
Voice E-Mail Application

Will the application record a voice message in an audio format that can be easily played on most operating systems and platforms (currently this would be the mp3 format)?
Does the application allow audio recording parameters (such as: bit rate and sampling rate) to be configured to accommodate an online volunteer's Internet connection (larger file size = better quality)?
Can the voice message be recorded directly to the preferred destination audio file format (that is, mp3) versus having to first record your message in an uncompressed format (such as a wav or aif format), and then converted to the mp3 audio format before sending?
Can the duration and file size be easily observed during the recording of your voice message?
Does the application pause (stop recording) during a certain level of silence?
Can the message be easily played back (without requiring an external audio player, for example) prior to sending?
Does the application require an accompanying e-mail application or can the voice message be recorded and sent from within the voice e-mail program?
If one application will both record and send the message, does it also have the capability to store a list of e-mail address for faster execution?

How to Record and Send a Voice E-Mail Message:
An Instructional Video
As part of the how to multimedia best practices publication about Online Volunteering Randy Tyler is currently developing, MYS online volunteer Yu Cheng (now living in China), created an easy-to-follow instructional video that shows how to download, install, configure, record and send a voice e-mail message using a PC-based application called "Audio Record Wizard" (please note: there are other similar programs such as NCH's "Vemail Voice Email"). To download the six minute instructional video (which is available in Flash, PC and Mac Flash Projectors, WMV, AVI and MPG4 formats), please visit the following URL now:

<itunes:summary>Download Thanking Special Event Online Vols Download Thanking Special Event Online Vols Winnipeg, Canada, July 30, 2007: Most not-for-profit organizations still rely (only) on face-to-face volunteers to help plan, organize and execute their special events. However, Canadian-based charitable organization, Macdonald Youth Services (MYS), has demonstrated that Internet-based volunteers can play a key role in the success of special events.

To mark their major milestone, MYS held a series of special events to illustrate and celebrate their remarkable 75 year history helping at-risk children: A digital client art exhibit, showcasing the talents of their clients, whether in sculpture, pencil, poetry or paintings; a narrated time line presentation that conveyed MYS's humble beginnings in 1929 to today, where service is provided for thousands of Manitoba's at-risk children; a concert fundraiser, wherein bands donated their time and talent to a fund to buy arts and cultural program materials for MYS's clients; a reception at the Dalnavert Museum, the former home of MYS's founder, Hugh John Macdonald, and a Diamond Dinner.

Whether it was, for example, voicing Public Service Announcements (PSAs) to promote their events, poster or advertisement creation, restoring old photographs, scanning photos, retyping old documents, designing invitations and programs, crafting new releases, developing multimedia presentations and DVDs or producing a video PSA for broadcast on local TV, online volunteers from around the globe played a key role in the success of MYS's 75th anniversary events.

To co-ordinate the anniversary events, MYS hired Julie Fine. Although an experienced event planner, Fine had not worked with online volunteers before.

"I have worked on a number of events in the past, but this is the first time that I have been able to work with virtual volunteers and it was an absolutely amazing experience", stated Fine "I had no idea the quality of work that was available and the variety that the virtual volunteers could provide; and I was constantly amazed as I worked over the past eight months on a number of projects, " continued Fine.

"Digital presentations, as opposed to physical exhibits and presentations, were easy to display and distribute via a number of mediums, from the Web to DVDs," stated MYS Online Volunteer Program Developer, Randy Tyler. "Moreover, (digital) multimedia content can be easily archived and re-purposed (for example, our narrated multimedia time line presentation is now part of our employee orientation package), added Tyler.

“Without the virtual volunteers, we would’ve had to pay for a number of services and this would’ve meant money taken away from an arts cultural trust fund we’re preparing for youth, so that they can take arts classes, theatre and dance,” said Fine.

To recognize and show appreciation for the significant contribution online volunteers made towards the success of MYS's anniversary events, Event Co-ordinator Julie Fine delivered a video thank you message to them. The 1.5 minute video, which was produced by MYS's New York based online volunteer Richard Wagner, speaks to the amazement Fine experienced in working with these highly-skilled online volunteers. The video can be viewed above or is available for download in various formats (WMV, Flash SWF, FLV Flash, MPG4, MPG2 and DivX) at the following URL:

<itunes:summary>Download Interview with Gail DrinnanWinnipeg, Canada, June 21, 2007: It was 2005 and retired Albertan Gail Drinnan couldn't find a local online volunteer opportunity that matched her skills and interests. Now two years later, Drinnan still continues to share her time and talents via the Internet to help Macdonald Youth Services (MYS), a charitable organization located 800 miles away in Winnipeg.

Drinnan, who had not volunteered via the Internet before, sees online volunteering as flexible and in sync with her retired lifestyle.

"It just suits my lifestyle and schedule, ... I get up in the morning and ... usually have some free time ... and I can sit at the computer with my coffee and put in some time," stated Drinnan. "... if I have other things I have to do I can just work when I need to, if its something late at night, I can put in a few hours - it's just really convenient ...," added Drinnan.

"Using a  professional presentation application called ProShow Producer, Gail has produced some remarkable DVDs for us," commented MYS Online Volunteer Program Developer Randy Tyler. "Whether it was recognizing the 40th anniversary of our longest-serving employee or developing an orientation for our Treatment Foster Program, Gail has demonstrated flexibilty, a diverse skill set and a commitment to high standards," added Tyler.

To learn how Drinnan originally got involved with MYS and what has motivated her to contribute over 350 hours of online volunteer service, MYS South Dakota-based online volunteer audio producer John Small interviewed Gail. To download the Skype to land line phone interview (mp3: 5.33 MB), please see the download link at the top.
