In this blog we&#39;ll start off with a story about a young girl, we&#39;ll call her Ashley, who worked in an attorney recruitment firm.&lt;br /&gt;

Ashley was 20 years old and working as a Secretary. She sat at the front desk to an office of 15 recruiters and attorneys. Although Ashley had been working since she was 15 years old in other positions that included customer service, this would be her first experience in a formal &quot;downtown office&quot; setting. After working in this office for more than 8 months Ashley learned how bad her boss was at some of the basic characteristics such as communication through email, managing the staff in the office, and communicating with Ashley about her tasks. One day Ashley got what we would call &quot;fed up&quot; and in a moment of high emotion sent her boss an email that explained how frustrated she was at her lack of communication with not only herself, but with others in the office. Ashley learned an important lesson that day. What might sound a certain way in your head or out of your mouth does not sound the same in an email.&lt;br /&gt;

Needless to say Ashley&#39;s boss did not take the email very well. Ashley was invited into her boss&#39; office for a lecture about her email etiquette and her place in the office. Many of us probably wish we could say what we feed to our bosses without the repercussions of getting lectured, or worse, fired. We certainly wouldn&#39;t encourage you to do what Ashley did but unfortunately many professionals, regardless of age, have to learn email etiquette the hard way which usually results in the loss of a client, customer, employee, or job. It&#39;s amazing to think that most of U.S. employees spend a quarter of their time at work communicating through emails every single day, according to The Business Insider. Here are some of our tips and tricks for you to remember the next time you craft your email, regardless of the subject matter or recipient:&lt;br /&gt;

&lt;ol&gt;
&lt;li&gt;Every email should include a clear and direct Subject Line. Especially if the email is important or urgent, a subject line can determine when someone will read your email.&lt;/li&gt;
&lt;li&gt;Don&#39;t email angry. Very much like Ashley&#39;s story, when you get angry or frustrated about something wait until you are calm to send an email to address the situation.&lt;/li&gt;
&lt;li&gt;Use exclamation points sparingly. This is probably one of the most common mistakes made in every day emails. Exclamation points do sound like either yelling or excitement and if you&#39;re not trying to express either then don&#39;t use it.&lt;/li&gt;
&lt;li&gt;Use professional salutations. While &quot;Hey guys or Hey&quot; is fine for talking with your friends, when you are communicating with other professionals use formal salutations such as &quot;Hi or Hello&quot;.&lt;/li&gt;
&lt;li&gt;Know that different cultures write and speak differently and keep that in mind as miscommunication is most common and can easily occur in written form.&lt;/li&gt;
&lt;li&gt;Respond in a timely manner. Regardless of the urgency of the email, even if the email is a &quot;Pleasure meeting you&quot; email, make sure to respond in a timely manner out of good courtesy.&lt;/li&gt;

Although you hope that all of your customers will appreciate the automated appointments reminders that you are sending them there are always going to be a few that don&#39;t. The best way to accommodate these select few (and often the most outspoken) customers is to allow them to opt-out of your automated reminders with just one simple action. HIPAA compliance also recommends that you provide an easy way for your customers to opt-out and many email providers require it.&lt;br /&gt;
&lt;br /&gt;
&lt;b&gt;So with our service it&#39;s easy - and already there!&amp;nbsp;&lt;/b&gt;&lt;br /&gt;
&lt;br /&gt;
When you are sending any type of &lt;b&gt;email reminder&lt;/b&gt;, a link is automatically added at the bottom with a one-click mechanism to allow them to unsubscribe. &amp;nbsp;This allows your customers to unsubscribe quickly. This is also a requirement by many mail providers such as Yahoo, Google, MSN, etc... to keep your emails out of the spam folders.&lt;br /&gt;
&lt;br /&gt;
If you are sending a &lt;b&gt;text message reminder&lt;/b&gt;, anytime anyone replies with the keyword &#39;stop&#39; they are automatically removed from the text messaging list. &amp;nbsp;They can text &#39;start&#39; in order to resubscribe. &amp;nbsp;This is becoming more of an accepted standard in the text messaging world. *Note -&amp;nbsp;If you want people to be aware of this option then you will need to add it to your text message (e.g. text &#39;stop&#39; to unsubscribe).&lt;br /&gt;
&lt;br /&gt;
If you are sending &lt;b&gt;call reminders&lt;/b&gt;, if the person responds by pressing the number &#39;9&#39;, they will be excluded from any call type reminders. Again, a very simple way for people to remove themselves. *Note -&amp;nbsp;If you want people to be aware of this option then you will need to add it to your call type reminder (e.g. press &#39;9&#39; to unsubscribe).&lt;br /&gt;

You can always log in to your account and manage the list directly through the web interface as well.&lt;br /&gt;

This report will contain a list of reminders that were not able to be delivered. &amp;nbsp;The reasons for the non-delivery could be caused by multiple issues such as no answers, busy signals, incorrect phone numbers, or perhaps invalid payment info on your business account or reaching your max limit on a free account. &amp;nbsp;The failed reminders will only be included in this report if there is no further outreaching that can be done. &amp;nbsp;In other words, if we can still try to send the reminder tomorrow, it will not show up on this report.&lt;br /&gt;

&lt;br /&gt;
This is a good solution if your business has the following:&lt;br /&gt;
&lt;br /&gt;
&lt;ul&gt;
&lt;li&gt;Does not schedule through Google Calendar&lt;/li&gt;
&lt;li&gt;Has a regular customer base that schedules appointments (not a ton of new customers).&lt;/li&gt;
&lt;/ul&gt;
&lt;div&gt;
Basically there are 2 steps to importing these appointments:&lt;/div&gt;
&lt;div&gt;
&lt;br /&gt;&lt;/div&gt;
&lt;div&gt;
Step 1 - Create a customer import file (you can do this monthly or weekly or as often as you wish).&amp;nbsp;&lt;/div&gt;
&lt;div&gt;
&lt;ol&gt;&lt;ol&gt;
&lt;li&gt;Make sure you include the customer ID in this import. (screenshot below).&lt;/li&gt;
&lt;li&gt;The customer ID is what you will use in your appointment import in step 2.&lt;/li&gt;
&lt;li&gt;Basically this file is just a .csv file that consists of a few fields to identify your customers.&lt;/li&gt;
&lt;li&gt;Upload this file to your account through the Import Files section. This will add all of your customers.&lt;/li&gt;
&lt;/ol&gt;
