Filter and export joomla 1.5 users by custom fields

We just added a new feature requested on forum: search,filter and export Joomla 1.5 users by custom user fields:

As you can see above, you can select a custom Joomla user field (custom fields you added for users) and export a file who have only that users in .csv list.

Completed Field - mean users that have records in that field

Field Blank - will export a list with users that doesn't have any record on that field.

After you get the results, just click on "Click here" link, it will open your .csv file.

NOTE: if you have some problems with filter just after install this new version, please refresh page (CTRL F5) - there is a JavaScript file that remain in cache. Do not use Clear Cache option under Global Configuration, but just refresh while you are in "Search by User Profile Fields" tab. After refresh all should work like in above image.

Import additional columns in users table

This short article will show you how easy is to import additional columns (additional user info) in Joomla! 1.5 users table.

If you have more columns in “_users” table from joomla, more than default joomla columns, (ie. You need for each user number phone and let say that you put in “_users” table “number phone” column).
Using “User Import” menu, this column will not be taken into account neither import of new users nor update existing users, so in this case you can use “Additional Columns” option which is more useful for you.

Starting with 1.0.6 version of component, these new columns are automated added in user table, no need for you to add them!
If you are using commercial ARRA User Import Export for Joomla! 1.6 you will have this feature included starting with 1.6.1 version

This is how user table is before the import:

All you have to do is to set how many additional fields will be imported in user table, we added 35 new fields, if you need more just contact me.

Complete the field name and default value if some users have no records for that new fields.

Import the file you have; please be sure that file looks like the samples we have there (you can download a sample txt or csv file and fill with your data), pay attention to field separator too, is very important.

You don't need to check database but this image will show you that additional fields were added in _users table.

Settings for import files
You have all settings for import like in “User Import” menu (separator, overwrite default Joomla! columns, usertype, emails) plus overwrite all your additional columns for existing users.
If in your file for import you doesn’t have your new columns,

ie.

name,username,email
John Doe,john,john@yahoo.com

you can put default values of new columns for this row from import file in the following way:

set number of new columns from “Enter here number of additional columns for import”

for each column, write colum’s name in “Column 1”, “Column 2”… and for every column, if is not set a value in import file, you can put a default value for all users from import file, writing this default value in “Default Value” input text.

For all imported users, in database in your new columns, will be saved this default values.

If you have already set this columns in import file

ie.

name,username,email,number phone,address
John Doe,john,john@yahoo.com,234212,New York
Alexander,alex,alex@yahoo.com,674875,Ohio
Pavel Aris,aris,aris@yahoo.com,

and for example, “Pavel Aris” doesn’t have “number phone” and “address” values set in this import file, you can set default values for import and this values will be saved in database only for “Pavel Aris” because in this file for import he doesn’t have values for new columns.

But, let say that John Doe is already in database and in database “number phone“ is 11223344 and “address” is Paris, you can let old values as they are or you can change this by checking “Overwrite additional column -” (and name of this column from database) (ie. “Overwrite additional column – number phone”) to YES, and for John Doe new number phone will be 234212 (like in import file) or you can set YES for address too, and new address will be New York, or you can overwrite all values from database with all values from import file checking “Overwrite entire data (all fields from Joomla! tables) from imported file for existing users”.

JomSocial users export import support

Please be aware that our component is not dealing with files like JomSocial videos and images, you can use it only for users export/import!

You can make a .csv or .txt file with all fields from “_community_fields” table from JomSocial component and also fields from “_users” table from Joomla!. You can find these fields in “Fields for export” zone from “Arra User Export Import” component using “JomSocial” menu. This menu is visible only if you have installed JomSocial component.

Note that you can select and export all users who are saved in JomSocial from “_community_users” table, not all users from Joomla! “_users” table.
“Group” is not equivalent with “Usertype”, usertype is type of user from Joomla! (Registered, Editor, Author etc) and group is user’s group from JomSocial.
All users from JomSocial are synchronized with users from Joomla!, so you can select username, usertype, email or password from Joomla! tables, but only for users saved in JomSocial.

JomSocial fields for export
Default fields for export are “Name, Username and Email” ; you can select other fields for export, you can select only same fields or all fields from database (check “Check All Fields for Export” – check this and all fields checked will be exported in exported files.

JomSocial groups for export
This is not the only option for export, you can select users group too. This does not mean that extracts each user’s group, this is for export users from some groups. To extract, or not, group for each user exported, you must check, or uncheck, “Group” checkfield from “Fields for export” zone.
In JomSocial, each user is included in one or more groups. You can make an export file with users from one or more groups, or all groups (if you check all groups for export), you can do that from “Check All Groups for Export”. If you check this, all users from all groups will be exported in your export file.

Other options for export
Also you can make an export with a specified separator, or users sorted by name, username or email, ascending or descending.
Also by checking “CSV, TXT or HTML”, from “Export File Type” zone you can select type of result file with exported users.

Send an email with exported file
If you select “Super Administrator” or you complete “Enter additional email addresses separated by comma!” input file, file resulting from the export action will be send from email to all super administrator of that site(if you check “Super Administrator”) or to that emails address that you wrote in the text field separated by “,”.

General Documentation for ARRA User Export Import

Arra User Import Export Documentation

1. The user export panel:

The default export properties (no setting is made and the export button is pressed from the "Simple User Export" field or from the export button from the top right side of the page. Both buttons have the same function, so it doesn't matter on which one you click):

- the file format (for the file exported) is .csv;

- the default columns are: name, username si email;

- the default separator is comma (,);

- there is no ordering made for this feature (the data is exported just like provided from the sql);

- if there is nothing checked at "User Type", then all the user types will be exported;

- if "Send mail" is not checked for the Super Administrator user type and if there is no email address entered below, there won't be any email sent with the exported file Export using advanced settings:

Important: if the user has an older version of php (< v 5.2.0) or the zlib library isn't installed on the server he won't be able to export using the zip feature (because we are using a class that was supported in the later versions).

- you can filter the export using the advanced settings (only the fields checked will be taken into consideration for the export

- also the fields checked from the "Simple User Export" will be taken into consideration);

- if doesn't matter on which of the two export buttons you will press, they act the same

- if the file format for the export is .csv, .txt or .html then the following options will be available:

* the user fields checked for the export
* specific types of the users (if nothing is checked, then all user types will be exported)
* the separator chosen for the export (just for .csv and .txt and not for .html)
* ordering based on a specific field, ascending or descending (only if selected)
* emails with a copy of the exported file can be sent to both Super Administrator type users and/or to emails speficied by the user
* the .sql and .zip files will include both the creation of the tables (_core_acl_aro_groups; _users; _core_acl_aro; _core_acl_groups_aro_map) and the inserts of the records in each table

2. The user import panel:

The .csv and .txt file format import

- the most important options will be the ones checked in “CSV/TXT Import options”;

- the separator which is chosen from the options must be the same as the one present in the import file;

- if the option “Overwrite entire data (all fields) from imported file for existing users” is checked the rest of the settings below regarding the overwrite options will be ignored and all data for existing users can be overwritten (if there are users that correspond with those from the database);

* if “Overwrite usertype for existing users” is set to "yes" this option will allow the type from the existing users to be overwritten. If the new user type does not exist in the database (in the table “core_acl_aro_groups”), it will be added and its "gid" (group id) will be added to the user. It's really important that the user type column from the import file is not empty.
* if "overwrite password for existing users" is set to yes then the passwords for the existing users can be overwritten from the import file. Note: if the option "Given passwords are already encrypted" is set to yes, then the new password will be updated in the database just as it is; if this option is set to "no", then the password given from the import file will be encoded and updated into the database.
* If the options “Overwrite email for existing users” and “Overwrite block option to existing users” are checked, these options will act the same as any overwrite option: the values for the fields of the existing users will be replaced with the new values from the import file. All these overwrite settings are just for the existing users (users that are already in the database). For the new entries there are other options that will matter, such as the option to generate password, encrypt password, set default usertype or "Insert default usertype if none set";
* the option “Send emails to new users (that don't exist in the database) after import” is checked by default. This will send an email to each of the new users with their unencrypted password (if an unencrypted password is set in the import file - if the password is already encrypted from the import file the password won't be sent) and their user type. The email will be sent to the address specified in the import file. If the option isn't checked no email will be sent.
* for new users it is important that the following 3 fields be included into the import file: name, username, email. The values for the rest of the fields will be either added from the import file or generated by the system automatically (a random password can be generated or a default password can be set; also, you can insert a default user type - if not the 'Registered' user type will be inserted);
* all these options above will be saved after the import is made, so that the user doesn't have to select them again next time for his import;

The .sql and .zip file format import

- the user has the possibility to create a backup of all the user tables from the database (the creation of the tables and the insertion of records for the following tables: _users, _core_acl_aro, _core_acl_aro_groups, _core_acl_groups_aro_map). The backup will be an archived sql file.

- before making an .sql of .zip import the current tables must be emptied (no records should remain in the tables, but the table structure should not be deleted as well). In these tables only the Super Administrators will remain, so that these users can successfully login to the administrator.

- when the import is made (by pressing the import button for this file format of the import button located on the top right side of the page), the Super Administrator users are remembered with their properties, the tables are completely truncated, the records are inserted and then the initial Super Administrators are re-entered into the database.Before the Super Administrators are re-entered into the database, the system checks to see if their ids already exist into the database (new ids will be generated) or if their username or email already exist into the database (maybe they were already created with the import). If an error occurs for this import feature, the tables will be truncated and only the initial Super Administrators will be kept into the database.

- no option set for the .csv and .txt will be taken into consideration for this type of import

3. The "Users statistics" and the "About" panel: - The statistics for the existing users (users from the database) are displayed - You can check to see what version you have installed under "About" and what is the latest version of the component - If the extension "php_curl" is not installed on the server a message will be displayed, letting the user know that a connection could not be established

This article is about how to export joomla users.

As soon you have the component installed, go to "Components" and click on ARRA User Export Import. This will take you to the Main window of our component.

There you can start exporting Joomla! users by clicking on User Export button. You will find that almost all options are commented (tooltips) - just mouse over the titles and lines bellow them to find out what each options does.

We have tested on a database with over 45k virtual Joomla! users and there were no problems with the downloads, but if you have more Joomla! users be aware that Excel 2003 has 65,536 rows per worksheet (if your Joomla! users number exceed this number please use Excel 2007, because the number of rows per worksheet is 1,048,576).

The page looks like this (click on image to zoom):

These are some main features:

1. Simple User Export - this will make a quick export of all Joomla! users, by name, username and email.

In the same window, you will see an option - Break name into first name and last name - this is an handy option that will split users names in first and last name. This option will help those administrators that want to export Joomla users and import them into mass mails programs that want names on two columns (ATTENTION: do not try to import this file using our "Import Users" feature because the file will be missing the "name" field and you will receive an error).

2. Additional Fields to Export - you can choose whatever new fields from Joomla! users table to be exported, like: Password, User Type, Blocked, Register Date, Last Visit Date and Activation

3. User type - in this window you will see only the Joomla! user types that the users table has. If you have created other users types then Joomla has, then these types will also appear there; check only the user types that you want to export; if none is selected then all existing Joomla! user types will be exported.

4. Export File Type - choose if you want a .csv file or a .txt file, which separator (comma, semicolon, vertical bar, dot) will be used in the exported files and also "Order by" to order users as you want. We have also added a new field, export users into a HTML page, maybe somebody will find this option useful (be aware that this type can't be imported by Import Users tool).

Be aware when exporting as a .txt file and opening the file with Notepad, because all the text will be on one line - for the rows to display properly please open the file with WordPad or other advanced text editor (not Notepad), so that you can see each record on a separate line.

5. Export User Table - we've added this option for a quick export of Joomla! user tables as SQL or ZIP, no need to go and use phpMyAdmin. Export ZIP option will be shown in admin only if your PHP version is >5.3.0, for earlier PHP versions will not be available.

6. Send to email - even if the file is exported and saved on the administrator's computer, it can be also sent by email. You can send the exported file attached in an email, to Joomla! super-administrators or to other emails addresses you want; just pay attention to whom you will send your Joomla! users list! You can easily modify the email's layout, just click on the "Edit email template" link.

The error above can appear when the email addresses of some Joomla! users you want to import are not unique in the database (usernames and emails in Joomla! have to be unique).

You have fields that are not from the user database table. For accepted fields click on the link "View user fields from the database" from the "Import CSV/TXT file format" panel. The following fields are unknown: 'first name','last name','website'

The error above can appear if the file you want to import contain any fields that are not in the main user table, so they are not recognized by the import process. The error will let you know which fields are wrong so you can quickly edit your file.

It seem you don't have the name, username or email (column) for import

The error above can appear when the name, username or email field are missing (one of them or all).

Error when inserting rows, maybe there are already some rows in your tables.

You will get above error, if SQL file you want to import find that in table are already some records.

It seems you have chosen a different separator!

The error above will appear if you choose a wrong separator (from the right hand side column - Field separator option).

"Not Found

The requested URL /administrator/components/com_arrauser/files/databasenameBK.zip was not found on this server."

Above error appear when you want to make a backup - ARRA User Import - Before you click "Truncate" button, please do a backup, is safer to have it just in case. - Database Backup button - this mean that /files/ folder under administrator/components/com_arrauser/ has no enough writing permissions - give it 777, do backup and them move back to 755.

How do I know if I have latest version installed? The answer is very simple:

1. go in site administrator area, click on ARRA User Export Import component, on the right you will see a drop menu called: "About"

2. because 1.0.0 is the first version, you will find this info listed there: Installed version: 1.0.0

3. once newer versions will be available (1.0.1), in the same panel you will see what is the version installed but also link to the latest version available. All you have to do is click on the link and get the version from our site.

4. if you have site installed local on computer, then maybe you will get next window, as soon site will be installed on a server, correct versions will be shown.
