On the surface, it looks like one is a subscription and the other is a one-time purchase. But the truth is, they’re built for very different needs.

Let’s start with Office 2021. This is the classic option: you buy the software once, install it on your computer, and it’s yours. No monthly bills, no subscription. You get Word, Excel, PowerPoint, and depending on your edition, maybe Outlook. Sounds simple, right?

But here’s the catch: with Office 2021, what you buy is what you get. Forever. That means no new features, no new tools, and limited updates. You’ll get basic security patches, but you won’t get the constant improvements Microsoft is releasing for 365 users. Think of it like buying a car outright. You own it, but you don’t get free upgrades when a newer, safer, faster version comes out.

Now let’s talk about Microsoft 365. This is the subscription version, where you pay monthly or yearly. At first glance, it looks more expensive, but here’s why Microsoft pushes it: with 365, you’re not just buying Word and Excel, you’re buying an evolving service.

With Microsoft 365, you always have the latest version of Office apps, plus extras like Teams, OneDrive cloud storage, SharePoint, and advanced security features. Updates roll out regularly, so you’re always using the most current tools. It’s designed for modern, collaborative work. Multiple people editing the same document in real time, files syncing across devices, video meetings through Teams, and built-in cybersecurity protections.

So, what’s the real difference? Office 2021 is a one-time purchase with no upgrades. Microsoft 365 is a subscription that gives you ongoing updates, cloud tools, collaboration, and security. One is a snapshot in time, the other is a living service. Here’s another way to look at it: Office 2021 is like buying a DVD. You can watch it forever, but nothing changes.

Microsoft 365 is like Netflix. You pay monthly, but you always have access to the newest content.

Which one makes sense for your business? Office 2021 might work if you’re a very small business with only one or two employees, you don’t care about cloud storage or collaboration tools, and you’re fine sticking with the same software for years without updates. But if you have multiple employees who need to collaborate, want files synced across laptops, phones, and tablets, and want regular updates with built-in security, Microsoft 365 is the smarter choice. It also gives you predictable monthly costs and scalability. Add or remove licenses as your team grows.

Here’s why this matters: Microsoft 365 is built for modern businesses. The cloud storage, collaboration, and security features aren’t “extras.” They’re the tools that keep your business competitive, especially if your employees work remotely or share files constantly. Office 2021 looks cheaper upfront, but it’s limited. In three years, when it’s outdated and missing features your competitors are using, you’ll be right back to buying again. While 365 users are quietly getting updates in the background.

So to sum it up: Office 2021 is a one-time purchase with no upgrades. Microsoft 365 is a subscription that gives you ongoing updates, cloud tools, collaboration, and security. One is a fixed point in time, the other evolves with your business.

Still have questions or need assistance with Microsoft 365 and Office 2021? Schedule a call with us or visit with us or visit our Learning Center for more information.
The reality is, for many popular mobile browsers, it’s a lot more than that. A recent analysis looked at how popular mobile browsers handle user data, based on the privacy information they publish in app stores. And what it found should make you pause for thought. If you’re using Google Chrome or Microsoft Edge on your phone or tablet, you’re using two of the most data-hungry browsers around. That doesn’t mean they’re unsafe, or that you need to abandon them tomorrow. But it does mean you should be paying attention to what they collect, and how you protect yourself.

According to the research, these browsers gather a surprisingly wide range of information. Not just browsing history, but things like location data, payment details, saved files, and even media such as photos or audio in some cases. The stated reason is usually sensible enough: Making the app work properly, syncing accounts, preventing fraud, or personalizing the experience. And to be fair, some data collection is unavoidable. A browser can’t function at all without knowing something about what it’s doing.

The concern is how much data is collected, how long it sticks around, and who it may be shared with. Some browsers confirm that parts of this information can be passed on to third parties. In the best case, that means advertising profiles and targeted offers. In the worst case, it means valuable identifiers floating around that could be exposed in a breach.

This matters more than many people realize, because browsing history tells a story. Over time, it can reveal business interests, financial activity, health concerns, legal worries, and personal habits. It’s not just “websites you like”. It’s a digital trail of who you are and what you’re dealing with.

What surprised researchers most was how few people really think about this anymore. Only a small minority still describe themselves as privacy conscious. Most of us just tap “accept”, install the app, and move on with our day. That’s understandable. You’re busy running a business. But the risk isn’t theoretical. When companies are breached, customer identification data is often what leaks first. Browser data and identifiers are increasingly valuable targets because they help attackers link activity back to real people and real organizations.

So, what should you do? You don’t need to ditch your browser of choice. Chrome and Edge are popular for good reasons, especially in business environments. The key is reducing how much unnecessary data you give away and adding a few sensible layers of protection.

Start by checking your browser’s app permissions on your phone. Does it really need access to location all the time? Does it need access to files, photos, or media when you’re just browsing? Most people are surprised by how much they’ve allowed without realizing. And be mindful of how you log into websites.

Using a proper password manager means your browser doesn’t need to remember everything for you, and it reduces the damage if one account is ever compromised. This also makes it far easier to use strong, unique passwords without having to remember them. None of this requires changing how you work day to day. You still open the same browser. You still visit the same sites. You’re just being more deliberate about what information leaks out in the background.

Your browser is one of the most used tools in your business. It’s also one of the most overlooked when it comes to privacy.

If we can help you keep your data better protected, get in touch.

Published with permission from Your Tech Updates.

Don’t Forget To Protect Your Browsing Privacy

What Does Going Paperless Actually Mean for Your Business?

Can your company really go paperless?
Think about things like contracts, invoices, reports, and internal communication. Instead of mailing paperwork, you can send e-signature contracts. Instead of filing cabinets, you can store everything securely in the cloud. Reports can be distributed digitally instead of being printed and passed around. Even project management can move online, using tools that keep tasks organized without the sticky notes and binders.

For most companies, eliminating paper completely isn’t realistic, but reducing paper usage by 80 to 90 percent is absolutely possible - and plenty of organizations are already doing it without disrupting their operations. And once they do, the benefits tend to show up quickly.

Costs drop when you’re not constantly paying for printing, ink, or storage space. Organization improves because digital files are easy to search and access from anywhere. Processes speed up - contracts and approvals that used to take days can be wrapped up in minutes. Security also gets a boost, with encryption and access controls protecting sensitive documents better than a locked filing cabinet ever could. And of course, there’s the environmental impact - cutting back on paper helps reduce your carbon footprint.

Now, not every business can go 100 percent paper-free. Certain industries still require physical copies, like legal documents that must be signed in person, clients without internet access, or compliance rules that demand hard copies. That’s why the more realistic goal is becoming “paper-light.” You’ll still use paper occasionally, but only when it’s absolutely necessary.

So how do you get there? Start by auditing your paper use. Figure out where it’s really needed and where digital can take over. Then begin digitizing important documents into searchable PDFs so you’re not stuck digging through file boxes. Adopt the right tools - cloud storage like OneDrive or Google Drive, e-signature apps like DocuSign, or project management platforms that keep workflows moving. Train your team so they feel confident using digital systems securely. And don’t try to do it all at once - transition one process at a time.

Plenty of small and mid-sized businesses are already running this way, with 95 percent of their documents in digital form. They might still use paper for client welcome packets or a required form here and there, but their daily operations are almost entirely online.

The bottom line? Your company can go paperless, and you’ll likely save time, money, and storage space in the process. It doesn’t have to happen overnight, and you don’t need to aim for perfection. Even moving toward a “paper-light” approach can deliver major benefits for your business, your clients, and the environment.

Still have questions or need assistance with cutting back on paper? Schedule a call with us or visit with us or visit our Learning Center for more information.
You’re probably already familiar with tools like Microsoft Copilot and ChatGPT helping people write emails, summarize documents, or answer questions. The next step is much more practical. And potentially much more sensitive. Buying stuff.

Last year, ChatGPT quietly introduced a feature called Instant Checkout. In simple terms, if you ask a shopping-related question, you can be shown products and complete the purchase without ever leaving the chat. Now Microsoft is rolling out something very similar: Copilot Checkout.

If someone asks Copilot for recommendations, say software, equipment, subscriptions, or services, Copilot can show relevant products. If the seller supports Copilot Checkout, the user can click “Buy”, confirm delivery and payment details, and complete the purchase right there inside Copilot. No jumping to a website. No checkout page in a browser. No familiar “are you sure?” pause.

From Microsoft’s point of view, this is powerful. Its data suggests people are far more likely to complete purchases when Copilot is involved, and they do it faster too. That’s why this feature won’t just live in one place. It’s expected to appear across Copilot, Bing, Edge, MSN, and more.

For consumers, this feels convenient. But for businesses, it raises a different set of questions. The first one is simple: Do you want your team buying things this way?

In many businesses, purchasing is deliberately slow. There are approval steps. Budgets. Supplier lists. Controls. Someone checks what’s being bought, why, and by whom.

Copilot Checkout has the potential to quietly bypass some of that, especially if it’s used casually or without guidance. Then there’s the data side. To make checkout work, payment details, shipping information, and account data need to be involved. Copilot Checkout launches with platforms like PayPal, Stripe, and Shopify. These are reputable systems, but the question isn’t whether they’re trustworthy. It’s whether your policies account for this new way of buying.

If an employee is signed into Copilot with a work account, whose payment method is being used?

What information is Copilot allowed to see or reuse?

Are purchases logged somewhere central, or do they disappear into the noise?

And then there’s behavior. When buying becomes frictionless, people buy more. Microsoft openly says journeys involving Copilot are far more likely to end in a purchase. That’s great for sellers, but it can quietly inflate costs if nobody’s watching.

None of this means Copilot Checkout is “bad”. But it does mean it’s something you should decide on deliberately, rather than discovering it accidentally after the fact. If you do want your team to use it, there are a few sensible considerations:

Clear rules around who can buy

What they can buy

Which accounts or payment methods are allowed

Visibility into purchases made through AI tools

Guidance for staff so they understand that convenience doesn’t remove responsibility

If you don’t want it used, that decision also needs to be clear. Because if it’s not written down, explained, and enforced, people will assume it’s fine. This is a recurring theme with AI features. They don’t arrive with a big announcement saying, “You should update your policies now.”
They just… appear.

The real question isn’t whether your team can use it. It’s whether you’ve decided if they should.

We can help you decide what’s best for your business. Get in touch.

Published with permission from Your Tech Updates.

Who’s Approving AI-Made Purchases?

What’s the Difference Between JPG, PNG, PDF, EPS, and SVG Files?

The best image file type to use depends on what the image is for. Important Difference

All image file types fall into two main categories: raster or vector.

Raster images are made of pixels (tiny squares of color).
Businesses can now bundle Copilot with most Microsoft 365 plans and save for a limited time, mailbox storage is increasing by 50GB for many users, and several Microsoft 365 subscriptions will see price increases starting July 1.

Understanding what is changing and when can help your business avoid unnecessary costs and make smarter decisions about licensing and renewals.

Skip right to what you’re looking for:

Copilot bundling and savings

Mailbox storage increases

Microsoft 365 price increases

What this means for your business

Should you review your Microsoft 365 licensing?

Prefer to watch instead of read?

Copilot Can Now Be Bundled With Most
Microsoft 365 Plans. One of the biggest updates is
how Microsoft is packaging Copilot. Copilot
can now be bundled with:

Microsoft 365 Business Basic, Standard,
and Premium

Office 365 E1 and E3

Microsoft 365 E3 and E5

Microsoft is currently offering up to 25% savings for one year when Copilot is bundled with these plans. However, that promotional pricing window is only available now through March 31. Along with the bundling option, Microsoft continues to improve Copilot chat functionality. Updates include enhancements to security, management controls, and analytics, giving organizations more visibility into how Copilot is being used and how it supports productivity. For businesses considering Copilot, this limited-time bundling window may be the most cost-effective way to add AI tools to your Microsoft environment.

Mailbox Storage Is Increasing
by 50GB. Another change coming soon is additional
mailbox storage for many Microsoft 365 users. Microsoft
is adding an extra 50GB of mailbox storage for users on:

Microsoft 365 Business Basic

Microsoft 365 Business Standard

Microsoft 365 Business Premium

This increase will roll out between now and June 30 and applies whether or not Copilot is bundled with your subscription. For organizations dealing with growing email storage needs, this update may reduce the need for additional archiving or storage workarounds. It is a straightforward improvement that many businesses will benefit from automatically. Microsoft 365 E3 and E5 plans are also seeing ongoing improvements, particularly around Intune functionality and analytics, giving IT teams better insight and management capabilities.

Microsoft 365 Price Increases Begin July 1

Not all of the upcoming changes are cost-saving. Starting July 1, several Microsoft 365 subscription packages will see price increases. Most of these increases are relatively small, typically in the range of $1 to $2 per user per month. While that may not sound significant, the impact adds up quickly across an entire organization. For companies with dozens or hundreds of users, even small per-user increases can noticeably affect the annual IT budget. This makes the next few months an important time to review licensing, subscription structure, and agreement terms before pricing adjustments take effect.

How to Control Microsoft 365 Costs Going Forward

If your organization’s user count is stable or growing, one of the most effective ways to control Microsoft 365 costs is to review your agreement structure. In many cases, annual agreements provide better cost stability than month-to-month licensing, especially when pricing increases are expected. Reviewing your licensing now can help ensure you are not overpaying, underutilizing features, or missing opportunities to bundle services more efficiently. Microsoft updates happen frequently, and small changes in licensing options or pricing can have a long-term impact on your technology budget. Taking time to evaluate your setup now can prevent surprises later in the year.

What Businesses Should Do Next

The biggest Microsoft 365 updates between now and July center around three areas: Copilot bundling opportunities, mailbox storage increases, and upcoming price adjustments. None of these changes require immediate action for every organization, but they do create an opportunity to review your current setup and make sure it still makes sense for your business. If you are unsure how these changes affect your Microsoft 365 environment, a quick licensing review can help you:

Identify potential cost savings

Plan for upcoming price increases

Evaluate whether Copilot makes sense for your team

Ensure your licensing matches how your business actually operates

If you would like a second opinion on your Microsoft 365 licensing or want help preparing for these changes, scheduling a review now can help you make informed decisions before key deadlines arrive.

Keep an eye on our Learning Center. We will be sharing more updates as Microsoft rolls out additional changes over the next few months.

While that sounds worrying, understanding what’s happening is the first step to protecting your business. One big change we’re seeing is a shift from traditional ransomware to something far more damaging: Data theft and extortion. Instead of locking your systems and asking for money, attackers are now breaking in, quietly stealing sensitive files, and threatening to publish them unless you pay up. This can include anything from financial records to customer details. And because privacy laws are stricter than ever, the pressure on victims is huge.

Another trend is criminals taking advantage of unpatched devices. That’s equipment that hasn’t been updated. This could be a file sharing tool, a system that connects your office to the internet, or something else. When these devices are out of date, they have gaps that attackers can slip through. In some cases, a single unpatched device has allowed criminals to break into dozens of businesses at once.

We’re also seeing more attacks on virtual servers (the systems many businesses use to run their IT behind the scenes). If attackers get into these, they can cause serious disruption very quickly. And to make matters worse, modern cybercriminals are getting better at hiding. They often use everyday tools already built into Windows or other systems to blend in, making it harder for security software to spot them.

It can sound overwhelming, but here’s the good news: You can protect your business from these newer, more refined threats. You just need the right approach. The strongest businesses are focusing on the basics done well. That means keeping systems updated, watching for unusual activity, and having good visibility of what’s happening across all devices (not just the obvious ones). It also means knowing what you’d do if something went wrong. A clear incident response plan can dramatically reduce damage and downtime.

Cyberthreats may be getting more sophisticated, but your defenses can stay one step ahead with the right preparation. And for that, you need the right people supporting you.

If you’d like help understanding your risks or strengthening your cyber protection, we’re here whenever you need us. Get in touch.

Published with permission from Your Tech Updates.

Prepare Your Business For More Refined Cyberthreats

Gemini AI in Gmail: Productivity Boost or Privacy Risk?

Are you a Gmail user?
Gemini scans your messages to provide advanced features like summarizing, composing new emails, suggesting replies, and more. When you enable these features, or the Gemini side panel, the system analyzes the content of your emails to generate summaries, draft responses, and even pull context from related files in Google Drive. This isn’t about humans reading your messages, it’s automated, algorithm-driven processing designed to make your workflow faster and more efficient.

For example, if you ask Gemini to “summarize my last conversation with a client,” it will scan the relevant email thread, extract key points, and present them in a concise format. If you need to draft a quick reply, Gemini can suggest language based on the tone and context of the conversation. It can even locate details like tracking numbers or receipts buried in your inbox.

Now, let’s talk about privacy, because that’s where most concerns arise. According to Google’s official statements, your Workspace data stays within the Workspace environment. It is not sold to advertisers, and Gemini does not train its models on your content without explicit permission. Data may be anonymized or aggregated to improve features like spam filtering or predictive text, but Google emphasizes that these processes are designed to protect user confidentiality.

However, recent reports and lawsuits have raised questions about transparency. Some users claim Gemini was activated by default, meaning scanning began without clear consent. If smart features are turned on, your emails, attachments, and activity can feed AI personalization. This doesn’t mean your data is exposed publicly, but it does mean the system uses your content to tailor suggestions and responses.

So, what can you do if this makes you uncomfortable? Google provides controls. You can disable Gemini and other smart features in Gmail settings under “Manage Workspace smart feature settings.” Turning these off stops the AI from scanning your emails for personalization, though you’ll lose access to features like Smart Compose and automated summaries.

Why does this matter for businesses? Because convenience and privacy often pull in opposite directions. Gemini can save time by automating repetitive tasks, reducing email clutter, and helping employees respond faster. But organizations with strict compliance requirements or sensitive data may prefer to limit AI access. The decision should align with your company’s security policies and user preferences.

So, Gemini scans emails to enable advanced Gmail features such as summaries, quick replies, and contextual assistance. Google states that this data is not used for ads or external model training without consent. If you value productivity, keeping Gemini enabled makes sense. If privacy is your top priority, disable it in settings.

Still have questions or need assistance with Google Gemini AI? Schedule a call with us or visit with us or visit our Learning Center for more information.
They sound almost the same, but there’s a difference - and understanding it can help you make smarter choices about protecting your business.

Authentication just means proving you are who you say you are. The most common way is a password. The problem is that most passwords are weak. People reuse them, keep them short, or go with classics like “Password123.” Even if you create a strong password, once it gets stolen in a data breach, it’s game over. That’s where 2FA and MFA step in.

Two-Factor Authentication means you need exactly two proofs of identity to log in. Usually, it’s your password plus something else you have - like a code texted to your phone or a push notification from an authenticator app. You put in both, and you’re good to go. It’s simple, and far better than relying on a password alone.

Multi-Factor Authentication takes it further. It means two or more checks, not just two. That could mean a password, plus a security key, plus a fingerprint. MFA isn’t limited - it lets you stack on extra layers depending on how secure you need things to be.

Here’s the plain English version: 2FA is a subset of MFA. Every 2FA setup is MFA, but not every MFA setup is 2FA. With 2FA, you stop at two. With MFA, you can keep layering. Think of it like home security: 2FA is locking the door and setting the alarm. MFA is locking the door, setting the alarm, and requiring a fingerprint to disarm it. Each extra step makes it harder for an attacker to get in.

Now, does this sometimes make logging in a little less convenient? Sure. But the goal isn’t to make your life harder. It’s to make a hacker’s life harder. That small bit of effort on your end can make the difference between keeping your data safe and suffering a costly breach.

The key takeaway is this: 2FA and MFA are the new baseline. Hackers don’t just go after large corporations anymore - small and mid-sized businesses are prime targets. Adding 2FA or MFA is like putting up a serious roadblock. And if you really want to level up, advanced MFA options like biometrics, physical keys, or systems that detect unusual login behavior can make your defenses even stronger.

So, to wrap it up: 2FA gives you two layers of protection, MFA gives you two or more. Both are leaps ahead of passwords alone, but they’re the starting point, not the finish line. Use strong passwords, enable 2FA or MFA everywhere you can, and add advanced options where it matters most. At Simplex-IT, we don’t recommend these tools to slow you down - we recommend them to stop hackers in their tracks. And trust me, that’s a tradeoff every business should make.

Still have questions or need assistance with Multi-Factor Authentication (MFA) and Two-Factor Authentication (2FA)? Schedule a call with us or visit with us or visit our Learning Center for more information.
For a tool that millions of us rely on every day, Microsoft Teams does an impressive job of keeping businesses connected and conversations flowing. But for many fans, a couple of small-but-maddening quirks have been causing frustration for a little too long. Microsoft has finally heard our cries of despair. It’s continuing to refine and improve Teams based on real user feedback, and some long-awaited fixes are finally on the way.

One of the biggest updates is a simple but powerful change. You’ll soon be able to choose what the Enter key does. We’ve all sent a half-formed message by hitting Enter to start a new paragraph. It’s a reflex. But now instead of automatically sending your message, you’ll have the option to use Enter for a new line.

Another welcome improvement is arriving too. Forwarding multiple messages at once. Teams traditionally only lets you forward one message at a time, which makes sharing context clunky and time-consuming. But now you’ll be able to select up to five messages from a chat or channel and forward them together in one go.

Both features are rolling out now.

For businesses that rely on Teams every day, these may sound like small fixes, but they remove friction from hundreds of tiny moments. And when messaging is a core part of how your team communicates, those small moments matter.

If you want help getting more from Teams, or making sure your Microsoft 365 setup works the way you want it to, we can help.
Today’s digital fraud is faster, smarter, and often created with the help of AI. Which means it’s becoming harder for even the most careful people to spot. And it doesn’t matter whether it’s Christmas, summer, or an ordinary Tuesday. Scammers don’t take days off. That’s why it’s so important for every business, no matter the size, to understand the basics of staying safe online.

The first thing scammers try to do is rush you. They love creating pressure. Countdown timers, “urgent” warnings, messages that say your account will close in minutes, or delivery alerts claiming you must act right now. The moment they make you panic, your guard drops. That’s why one of the most powerful habits you can build is: Stop. Think. Verify.

If anything makes you feel rushed or stressed, pause immediately. Then check what’s going on using a trusted source. Don’t click the link inside a suspicious email or text. Instead, visit the company’s official website or call their real phone number.

Scammers often use tiny tricks, like slightly misspelled website addresses, to fool you into thinking they’re legitimate. It also helps to know what scammers are usually after. Most of the time, they want your money or your data. That’s why so many fake messages claim there’s a problem with your bank, a missed delivery, a locked account, or a prize waiting for you. Real companies won’t ask for your full bank details, passwords, or remote access over email, text, or unexpected phone calls. If someone does, it’s a scam.

But awareness isn’t enough on its own. You also need good defenses in place. Thankfully, modern tools make this much easier. Using an authenticator app (for multi-factor authentication) adds an extra lock to your accounts, even if someone steals your password. A password manager can generate strong passwords for you and remember them safely, so you don’t have to reuse simple ones.

And keeping your software updated means you’re closing known weaknesses that scammers love to exploit.

Another smart habit is regularly checking which apps and devices have access to your accounts. Especially if you use Google or Facebook to sign in to other services. Sometimes old devices or unused apps stay connected without you realizing, and that’s a risk worth clearing up.

There’s one final step many people forget: Reporting scams. It’s not just for your benefit. It helps protect everyone else too. Every report helps experts take down dangerous websites and warn others.

Digital fraud is getting more advanced, but the good news is that simple, consistent habits can keep you and your business safe. Stay calm, stay cautious, and stay informed.

And if you’d like help putting the right protections in place for your team, get in touch.

Published with permission from Your Tech Updates.

Protect Your Business From Digital Fraud

Cybersecurity Explained: MDR vs Antivirus Protection

When it comes to cybersecurity, one of the biggest points of confusion we

Both are designed to protect you from cyber threats, but they’re not even close to the same thing. And understanding that difference can be the line between stopping a cyberattack in its tracks… or becoming the next victim.

Let’s start with antivirus. This is the tool most people are already familiar with. Antivirus runs on your computers and servers, scanning for threats like viruses, malware, or ransomware, and removing them when it finds a match. It does this by comparing files and programs against a database of “bad stuff” it already knows about. If something matches, it flags it and takes care of it. This has been a critical layer of protection for decades.

The problem is that antivirus only works against threats it already recognizes. Hackers know this, and they’re constantly creating new, more advanced attacks specifically designed to sneak past traditional defenses. That’s why relying on antivirus alone is like locking your front door but leaving the windows wide open.

This is where MDR, or Managed Detection and Response, comes in. MDR is like having a 24/7 security team watching over your business. Instead of just waiting for a known threat to pop up, MDR actively looks for unusual activity - things that don’t fit the normal patterns. For example, if an employee’s account suddenly logs in from another country at 3 a.m., or if a program on your server starts moving files it normally wouldn’t touch, MDR flags that behavior as suspicious.

And here’s the big difference: MDR doesn’t just send you an alert and hope you figure it out. It comes with human experts who investigate the situation and take immediate action. That might mean shutting down a compromised account, isolating a device, or stopping the attack before it spreads through your entire network.

The difference really comes down to reactive versus proactive defense. Antivirus is reactive - it finds something it knows is bad and removes it. MDR is proactive - it hunts for signs of an attack in progress, even if it’s brand new, and responds in real time. Think of it like this: antivirus is the smoke detector in your office. It’ll beep if it smells smoke. MDR is the fire department, already on site, ready to put out the fire the moment it starts.

And this matters because modern cyberattacks go way beyond simple viruses. Hackers use phishing, account takeovers, and fileless malware that antivirus often misses completely. Industry reports show it takes most businesses an average of 200 days to even detect a breach - and by then, the damage is already done. MDR closes that gap by providing constant monitoring and immediate action, reducing the chances of a successful attack dramatically.

So, the bottom line is this: antivirus is still necessary, but it’s only one piece of the puzzle. MDR goes much further by combining advanced tools with human expertise to actively hunt, investigate, and respond to threats around the clock. The real question isn’t whether you should have antivirus - you should - but whether that’s enough to protect your business in today’s landscape. For most organizations, antivirus alone just doesn’t cut it anymore. At Simplex-IT, we help businesses layer both antivirus and MDR so you don’t just know about threats - you stop them before they cause damage.

Still have questions or need assistance with MDR and Antivirus Software? Schedule a call with us or visit our MDR page for more information.
Honestly, that’s not too far off from the goal. The Great Paperless Society is really about replacing traditional paper with digital solutions, making work faster, cheaper, and more environmentally friendly. It’s a shift that’s been happening for decades, and while we’re not completely paper-free yet, many businesses, schools, and even governments are closer than ever.

At its core, the idea is simple: instead of relying on physical paper for communication, records, and forms, we use technology. That could mean sending an email instead of a letter, filling out an online form instead of printing and scanning, storing files in the cloud instead of a filing cabinet, or approving something with a digital signature instead of pen and ink. The goal is efficiency and accessibility, while reducing waste.

And there are some major benefits to going paperless. It saves time because you’re not digging through folders or waiting for mail to arrive. It saves money on printing, storage, and postage. It gives you the flexibility to work anywhere, since digital files can be accessed from home, the office, or even your phone. Digital files are often more secure too, since they can be encrypted and controlled with permissions. And of course, using less paper is better for the environment.

Now, are we fully paperless today? Not quite. Paper still has its place. Some legal documents still require physical copies. Some customers don’t have internet access. And in certain situations, a physical record just feels more trustworthy. But thanks to tools like cloud platforms, e-signature software, and document management systems, the amount of paper we use has dropped dramatically.

If you’re thinking about going paperless yourself, the best approach is to take it one step at a time. Start by digitizing important documents into searchable PDFs. Move your storage to the cloud with tools like OneDrive, Google Drive, or Dropbox so you can access files anywhere. Adopt digital workflows, like using DocuSign or Adobe Sign for approvals. Train your team so everyone feels comfortable with digital tools. And cut back gradually so the transition feels natural.

The Great Paperless Society isn’t just a dream - it’s an ongoing movement that’s already reshaping how we work, learn, and communicate. We may not be completely paper-free yet, but every small step we take brings us closer to a future where you’ll never have to ask, “Where did I put that document?” again.

Still have questions or need assistance with going paperless? Schedule a call with us or visit our Learning Center for more information.
That’s usually a sign of technical debt. And now that Windows 10 has officially reached end of life, many businesses are discovering just how much of this hidden debt they’ve built up without realizing it. Technical debt is simply what happens when businesses delay upgrades or stick with outdated systems for “just a bit longer”.

The problem is, the longer you leave it, the more it piles up. Eventually it starts to limit productivity, increase downtime, and open the door to security risks. A recent survey found that nine in ten businesses are dealing with Windows-related technical debt, and half have already experienced downtime because of it. Yet only 14% are planning to fix it soon.

Why the hesitation? For many, upgrading feels daunting. It takes time. It costs money. And there’s a fear of breaking something that still sort of works. Others worry about the disruption caused by moving older, bespoke applications to modern systems.

Ironically, though, leaving everything as it is can be just as disruptive. Unsupported systems are more likely to fail, more vulnerable to attacks, and far harder to maintain. The good news is that you don’t need to clear all your technical debt at once. The smart approach is to chip away at it gradually.

Upgrade devices in phases, use specialist tools that move older apps safely to newer environments, and keep an eye on risks using automation. This spreads out the cost, reduces disruption, and builds a culture of continuous improvement. By tackling technical debt bit by bit, you create a stronger, safer IT foundation. One that supports growth rather than getting in the way of it.

And once that foundation is in place, your business is far better prepared to adopt new technologies, including AI, without tripping over outdated systems. If your IT feels sluggish, unreliable, or harder to manage than it should, it might not be “just how things are”. It could be technical debt.

We can help you unlock smoother operations and faster growth. Get in touch.

Published with permission from Your Tech Updates.

Is “Technical Debt” Slowing Your Business Growth?

Copilot Brings Microsoft And Google Together

Ever found yourself juggling between Gmail, Outlook, and a dozen browser

Ever found yourself juggling between Gmail, Outlook, and a dozen browser tabs just to find one email or check a meeting time? It’s the kind of digital chaos most of us have learned to live with… until now.

Microsoft’s AI assistant, Copilot, is about to make life a lot easier. Thanks to a new Windows update, Copilot can now connect directly to your Gmail and Google Calendar, as well as your Microsoft accounts like Outlook and OneDrive. That means, if you choose to turn it on, Copilot can search across both ecosystems to help you get things done faster.

Can’t remember when you last emailed a client? Just ask, “When did I last speak to Sarah?” Copilot will find it. Even if that message was buried in Gmail. Need to plan next week’s schedule? It can check both your Outlook and Google calendars so you don’t double-book yourself.

Of course, you’re always in control. Copilot only accesses what you give it permission to. If you’d rather keep your accounts separate, that’s perfectly fine. It’ll keep working just as it always has within the Microsoft tools you already use.

But if you do choose to connect your Google account, it could be a real time saver. It’s one of the first times we’ve seen Microsoft’s technology work with Google’s instead of competing against it. If you mix and match apps from both sides, you’ll know that’s a big deal.

Away from searching and scheduling, Copilot is becoming a powerful creation tool. You can ask it to turn a few notes into a Word document, build a PowerPoint presentation, or even generate a polished PDF, all without opening a single extra app. Longer responses from Copilot now include an “export” button so you can instantly send its output into the format you need.

The update has rolled out to Windows Insiders (Microsoft’s group of early testers) via the Microsoft Store, but it won’t stay there for long. This is clearly the direction Microsoft’s heading: Fewer apps, fewer steps, and more time to focus on actual work.

There is, however, one big question hanging over all of this. How much do you trust your AI assistant?

Linking Copilot to Gmail and your calendar means giving it access to some very personal data. Microsoft stresses that you stay in charge and your data isn’t used to train its AI, but it’s still worth thinking about before you click connect.

For many, the convenience outweighs the worry. It’s great to see we’re heading towards a world where your tools finally work together, not against each other.

Published with permission from Your Tech Updates.

Copilot Brings Microsoft And Google Together

What Is an LMS and Why Is It Used for Online Learning?

If you’ve ever taken an online course, done workplace training on your

So, what exactly is it? At its core, an LMS is a software platform that stores, delivers, and tracks learning materials all in one place. You can think of it as a virtual classroom that not only hosts the lessons, but also keeps perfect records of your progress and performance.

Behind the scenes, instructors, HR teams, or administrators can upload courses, assign them to learners, and check detailed progress reports. On the other side, students or employees log in, take courses, watch videos, complete quizzes, and track how they’re doing. It’s a system designed to work both ways, and whether you’re in school, at work, or just learning a new skill online, an LMS makes it possible to learn from anywhere.

These platforms are used in all kinds of settings. Schools and universities rely on them to deliver online or blended learning. Businesses use them for employee training, compliance, and onboarding. Professional organizations often deliver certifications and continuing education through them. And if you’ve ever bought an online course from an individual creator, there’s a good chance it was hosted on an LMS too.

Most systems share a familiar set of features. You’ll usually find course management tools to upload and organize lessons, user management to enroll and group learners, and reporting to track progress. Many also include built-in quizzes and assessments, certificates of completion, and mobile access so people can learn anytime, anywhere.

The appeal is clear. For organizations, an LMS saves time, ensures consistent training across the board, and makes compliance reporting much easier. For learners, it means flexibility. You can learn at your own pace, at your own convenience - whether you’re at your desk, on a tablet, or even on your phone during a commute.

Some popular examples you might recognize include Moodle and Canvas in the education space. In the business world, there are platforms like TalentLMS, Docebo, Microsoft Viva Learning, and Bigger Brains - which is especially known for its engaging, video-based business and technology training.

So, the big takeaway is this: a Learning Management System is the hub for online learning and training. It’s where courses live, and where learners go to complete them. If you’ve ever taken a course online, you’ve probably used one - even if you didn’t realize it at the time.

Still have questions or need assistance with the Learning Management System?
Well, Microsoft’s decided that enough is enough. From now on, new Word documents will automatically save straight to your OneDrive cloud storage. Autosave will be turned on by default. That means your work is backed up instantly. And you can pick up where you left off from any device. Accidentally close the file? No problem, it’s sitting safely in the cloud.

For anyone who’s ever lost an important report, proposal, or invoice, that sounds like a dream come true. Right? But not everyone’s cheering just yet. Some people aren’t comfortable with every new document automatically being uploaded to the cloud. They’d rather decide for themselves where a file should live. Especially if it contains sensitive information. There’s also the question of privacy.

While Microsoft says your files are secure and only accessible to you, some people simply prefer keeping their work stored locally, where they feel more in control. In fairness, Microsoft isn’t locking you in. You can turn this feature off and go back to saving files manually if you prefer.

But for many, this change could slip by unnoticed. Word will just quietly back everything up for you without asking. It’s a big shift, and it says a lot about where Microsoft’s heading. The company wants to make OneDrive the central hub for your files, and with new Copilot AI features coming to it, that makes sense.

Soon you’ll be able to ask Copilot to find, summarize, or even edit your documents directly from OneDrive. There will be no need to dig through folders or filenames.

So, is this update a terrible idea or a great one? It depends on how you like to work.

If you value simplicity, peace of mind, and automatic backups, it’s a fantastic move. But if you prefer a little more control and privacy, it might feel like Word’s making decisions for you.

Either way, one thing’s certain: The days of losing your unsaved masterpiece are numbered.

If you have any questions reach out!

Published with permission from Your Tech Updates

Never Lose A Word Document Again

What Is Co-Managed IT vs Fully Outsourced IT?

When it comes to managing technology, most businesses fall into one of two

Knowing which one makes sense for your business can save you a lot of time, money, and stress.

Let’s start with fully outsourced IT. This is when you don’t really have an internal IT department - or maybe just one person who’s “kind of techy” but not a full team. In this setup, your IT provider handles everything. They become your IT department. That means managing your network, cybersecurity, backups, compliance, employee support, and those everyday headaches like email issues or printers that just don’t cooperate. For small to mid-sized businesses, outsourced IT is often the simplest path. You get all the expertise of a full IT team without the overhead of hiring and managing staff.

Now, co-managed IT is a little different. This model is built for businesses that already have IT staff - maybe it’s a small team, maybe just one overworked IT person. Instead of replacing them, a co-managed provider partners with your internal team. That might mean taking on big projects like cloud migrations or compliance work while your team handles daily support. Or maybe the provider focuses on 24/7 monitoring and cybersecurity while your staff takes care of routine needs. The point is, co-managed IT fills the gaps and adds extra horsepower without you needing to hire more full-time employees.

So, here’s the plain difference: with fully outsourced IT, you hand off everything. With co-managed IT, you share responsibilities. Neither option is “better” across the board - it depends on your business. If you don’t have IT staff or just want someone else to handle it all, outsourced IT is a great fit. If you do have IT staff but they’re stretched too thin or missing certain expertise, co-managed IT makes more sense.

And one more important point: co-managed IT isn’t about replacing your internal team - it’s about empowering them. They get the support they need to focus on bigger-picture goals, while you get the reassurance that nothing is slipping through the cracks.

So, to recap: outsourced IT is handing everything off, and co-managed IT is working together. Both deliver support, security, and expertise. The real question is how much you want to keep in-house, and how much you want to share with a trusted partner.

Still have questions or need assistance with the Difference Between Co-Managed IT & Fully Outsourced IT? Schedule a call with us or visit our Learning Center for more information.

If you’ve never used it, Reuse Slides was one of those quiet, behind-the-scenes features that made life a lot easier. It let you open a small panel within PowerPoint, browse through another presentation, and pick out the exact slides you wanted to reuse. You could even choose whether to keep the original formatting. It was perfect for keeping your company’s logo, colors, and layout looking consistent. And it was a huge time saver. Instead of rebuilding every deck from scratch, teams could pull in existing slides from previous proposals, reports, or training materials. It kept things looking professional and saved hours of fiddling with design templates.

But earlier this year, that convenience disappeared. Microsoft says it removed Reuse Slides because there are duplicate ways to do the same thing. It no longer makes sense to maintain overlapping features.

While that might be technically true, it’s not much comfort for people who liked the simplicity of clicking one button and getting straight to work. You can still reuse slides. It just takes an extra step or two.

One simple method is to open both PowerPoint files at once and drag and drop slides between them. This usually keeps most of your formatting, animations, and media in place.

Another option is to go to View > New Window, which opens a duplicate of your current deck. That’s helpful if you want to work on a new version while keeping the original untouched.

These alternatives do the job, but they don’t feel quite as seamless. Reuse Slides gave you more control, especially when you only needed a few slides from a larger deck. The drag and drop method can work, but it’s less precise and can sometimes cause small formatting quirks that need tidying up afterwards.

Still, change is inevitable. Microsoft wants fewer overlapping features and a more streamlined experience, even if that means saying goodbye to a few long-standing favorites.

If your business relies on PowerPoint for client presentations, sales decks, or internal training, make sure your team knows about this change. Get them comfortable with the drag and drop method or the “New Window” trick to save time and confusion later.

And if you need help getting to grips with this, or any other change in Microsoft, get in touch.

Published with permission from Your Tech Updates

PowerPoint Drops Its “Reuse Slides” Feature

What Is Pretexting and Why Is It So Dangerous

Pretexting is basically the art of storytelling, but with a hidden agenda.

Pretexting is basically the art of storytelling, but with a hidden agenda. It’s when someone creates a fake but believable scenario to trick you into giving up private or sensitive information.

These scammers - let’s call them “pretexters” - use information they’ve already gathered about you to build trust and make their story sound legit. And their goal? To get you to let your guard down, just long enough to hand over something valuable.

Let’s say you get a call from someone claiming to be your bank. They say there’s been suspicious activity on your account, and they just need to verify a few details. They sound calm, professional, and helpful. They might even use your name, your bank’s name, or reference a recent transaction.

It feels urgent, and your instinct is to act quickly. That’s what they’re counting on. Because if you don’t take a moment to pause and think, you could end up sharing information - like your account number or login credentials - that opens the door to fraud or identity theft.

Pretexting works because it feels real. It usually starts with research. The pretexter might dig through social media, company websites, or even old press releases to collect details. The more they know, the more convincing they can be. Once they’ve done their homework, they come up with a story - something that sounds plausible and triggers urgency or trust. That might be a fake security alert, a job offer, or a request from someone who seems to be in a position of authority.

And it doesn’t just happen over the phone. Sometimes it’s an email pretending to be from your company’s IT department, asking for your login info. Or it could be a text from someone posing as your boss, asking you to send gift cards or transfer money. The point is, these scams can happen in a lot of ways - and they’re not always easy to spot in the moment.

So how can you protect yourself? The first step is always to verify. If someone contacts you asking for sensitive info, pause. Don’t respond right away. Call back using a number you trust - one from the company’s website or official communication, not the number they give you. Take a minute to ask yourself if the request makes sense.

Second, watch what you share online. Posting about where you work, what your title is, or recent travel plans might seem harmless - but that’s exactly the kind of info a pretexter can use to sound convincing.

And third, stay informed. Social engineering tactics like pretexting are always evolving, but once you know what to look for, they become easier to spot. Train yourself - and your team - to recognize the red flags, like urgency, pressure, or requests for unusual information.

Pretexting is powerful because it targets people, not systems. But the good news is: people can learn, adapt, and protect themselves. Staying cautious, verifying requests, and trusting your instincts can go a long way in stopping these scams before they succeed.

Still have questions or need assistance with pre-texting? Schedule a call with us or visit our Learning Center for more information.
