Smart paste and profile fixes

We’re lucky to work for a great community of people who not only use Checkvist but also share their ideas and suggestions and constantly help us improving the tool. So here is a handful of improvements that was inspired by your feedback.

Smarter paste which understands hierarchy

Who can work with text without ubiquitous Ctrl+C, Ctrl+X, Ctrl+V? In this server update we tried to improve the ‘paste’ part:

If a selected node is collapsed, the pasted content becomes a sibling
If a selected node is expanded, the pasted content becomes a child, and goes on top of that expanded node’s children

Better show than tell. Here’s the new paste in 15 sec:

Better styling for Markdown headings and lists

Markdown is great for text formatting in keyboard-oriented tools, like Checkvist. We’ve just improved the rendering of the headings and lists, (to use Markdown you must enable it on your profile).

Manual time zone correction

Checkvist defines your time zone when you register, but some people travel more often than the cookies are renewed. Now you can change the time zone manually — just start typing your location:

List sorting in the `ll` pop-up

Lists pop-up is great for quick navigation, especially as we usually work with a handful of them. Press ll and see the recently edited lists right on top.

But when your lists are shared with other people, the recently updated lists might be not those you work on. So, you have to use filter to find the one you need.

We’ve changed this behaviour: now the lists pop-up is sorted according to your activity. What you have edited last, will be first in the list, not the lists of the other team members.

Better Mac/Windows keyboard shortcuts mapping

Some Mac OS people could not use the Ctrl ↑ and Ctrl ↓ (shortcuts to reorder list items), because they are bound to space switching. But as we were reminded, the best way to map Win shortcuts to Mac, is to use command ⌘ key instead of Ctrl.

So true — now you can reorder list items with ⌘ ↑ and ⌘ ↓.

By the way, the same applies to move to beginning/end of the lists shortcuts ⌘ Home and ⌘ End

Delete account

A little ‘must have’ feature we should have done some time ago. Now you can delete your account right on the profile page. Just a quick reminder — deleting account means deleting all your data. So if you’ve authored a list, and the list is shared with other people, they will not see it after you delete your account.

List wide operations

Checkvist is so good for creating hierarchical lists, that very quickly you might find yourself staring at a large and unwieldy construction.

With focus you can filter out just one piece of it, but after un-focus you’ll get the same long list, completed and open tasks mixed.

There are several list wide operations, that can help you in this situation. We’ve just updated the server with a new one, but I think it’s better to remind of the rest as well.

Hide all completed tasks

When you need to concentrate on what’s left to do before a deadline, then it’s really useful to hide the ‘done’ part from the page.

How-to: check the ‘Hide completed’ option in the ‘View’ menu, or use the hc (hide completed) shortcut to toggle completed tasks’ visibility.

Affects only you, the rest of the team will see the list as they prefer.
Move completed tasks down

Not only completing the tasks, but also following the progress? Then it’s better not to hide what’s been done, but simply move it down.

Completed tasks will stay on their hierarchy level, so you know what part of list they belong to.

How-to: check the ‘Move completed down’ in the ‘View’ menu in the toolbar.

Affects only you, the rest of the team will see the list as they prefer.
Reset or clone?

If you use checklists, chances are you go through the same lists periodically. After completing one list, you need to re-create it for the next occasion. And here you have two main options: just re-open all tasks in the list, or keep the completed list for your records, and create a clone. If you don’t need any records and archive, simply type reset on the completed list. All tasks automagically change their ‘completed’ status to ‘open’.

If you want to keep the old list, click ‘Copy’ in the toolbar (there’re many options, like keeping tags and notes, using the same permissions, etc) and create a new clone of the old list.
The new option: wipe completed tasks

And now we came to the last and the newest option: ‘wipe’. When you have a really large list, keeping completed tasks hidden will anyway make the list heavier and slower. If you don’t need to see completed tasks after they have been done, type wipe to delete all of them at once.

The last two options affect all people working on the list, so when you ‘wipe’ or ‘reset’, you ‘wipe’ and ‘reset’ for all.

Some other fixes that found their way to the main server while we’re woking on the new mobile app:

Fixed the Markdown recognition of_underscored_text (thx @cwithoutfail)
Fixed the Markdown recognition for [link text](link_url) syntax (thx Erez Zukerman)
Added timestamp to the filename of the downloaded backup file (thx Philippe Demoulin)
Distinguish the ‘US’ and the ‘European’ week starting day patterns in the ‘Repeating task’ dialog window. The americans will see Sundays first, the rest of the world, Mondays. (tnx John Winstanley)

Repeating tasks and due notifications improvements

Repeating tasks

We always thought Checkvist was more an outliner, than a task manager and delayed the repeating tasks request for quite a while. Well, better late than never!

The repeating tasks settings are invoked with the dr shortcut, or from the Due date dialog window:

There are many options, but in the bottom section of the dialog you can see the text description of the repeating task and preview the next 3 repeating due dates.

You can also pause a repeating task. In this case the repeating pattern will start working again from the date you resume it. (No ‘overdue’ tasks for the paused period).

When you delete a repeating task, it deletes the pattern only, leaving the currently set due date. If you want to completely remove due dates, use the cd (‘clear due’) shortcut.

All repeating tasks are listed in the Repeating section on the Due page.

Due notifications improvements

Notifications are a very sensitive matter — everyone becomes angry about extra emails, but no-one wants to forget about planned things and important events. We tried to rework the due notifications mechanism, so they contain more signal and less noise.

Your due tasks or all due tasks?

When you’re in charge of a project, you might want to watch all due tasks, regardless of their assignees. To do that, you must only click the email icon in the list’s toolbar and select the notification type.

But if you are not controlling the whole thing, you don’t care about someone else’s tasks. In this case chances are you want to watch only those notifications you set yourself (or the ones that were assigned to you). To watch only ‘your’ tasks, select the ‘Send me daily reminders about my due tasks’ option on the Profile → Notifications page, and unselect all due reminders for the lists (if you have any), on the same page.

Select dispatch time

Another small but often requested improvement is an ability to select the time when the daily notifications are dispatched. Previously they would go only on midnights, now you can change this vampire mode to your morning coffee time, for instance.

Both features are available in the PRO plan, but you can always try it free for 14 days. If two weeks are not enough, we can always prolong your trial term, just ask.

Other fixes

You can exclude due and changes notifications made in the archived lists (request in the uservoice).
Clicking on the due date results in showing due date dialog (previously we filtered the list by due date)
iCalendar integration was reworked to support notifications about own due tasks
Some UI enhancements and bugfixes

Next steps

It seems like Checkvist has become a rather feature rich tool now, but when it comes to mobile experience, it looks and feels really antique. The recent survey shows it’s the largest problem our customers have.

New print superpowers

This is a small update, dedicated to the fellow tree destroyers. Rejoice! From now on Checkvist offers full print view customization.

Owners of free accounts can use the new enhanced Print options. (Click the Print icon in the right side of the toolbar to see the Print view.)

The PRO customers can customise print view further on, technically as much as CSS allows. (See the new CSS customisation box on the profile page)

The recently added hoisting feature comes in handy when you want to print a part of the list — Checkvist will print only what is visible on the screen.

Other fixes

As always, there’s no server update without bugfixes. Here’s a handful:

Fixed ordered list rendering (switch to ordered list in the View options menu)
Fixed formatting of the daily digest emails
gg shortcut opens local links in the same window, links to other sites in a new tab
Some UI improvements

More concentration with focus (hoist)

List making is addictive - you start with a small flat list and end with a huge hierarchy full of tags, colors, notes, and attachments. And while browsers can handle a large list nicely, our brains need some help to concentrate on a specific task.

Focus

In this update, we introduce a classic outliner feature - focus or ‘hoist’. Press Shift → to zoom in the selected list item - and all its siblings and parents will be hidden. To unfocus, press Shift ←.

The primary purpose of the feature is to hide all non-relevant information while working on a particular part of the list. So, when focused, we even hide the list name and all parent list items (but you can click the ‘…’ control above the list to see them).

Focus mode allows all usual operations: add, edit, copy list items, filter the list, print, etc.

If you create a permalink or share a list when the focus mode is active, the information about the focus will be included into the link.

Bulk share

A new quick way to share several lists, easy as one-two-tree:

Select lists you want to share on the lists homepage (if you work on a list, press hh to get to the homepage).
Click Share in the bottom bar
Use “Select existing users” link to choose people you want to share the lists with.

This is particularly useful when you have a new team member and want to jump start him with all materials you already have in different lists.

Other improvements

Smarter processing of sub-items when filtering by assignee/due and text
Fixed some bugs in the URL recognition
In public lists, it was impossible to hide popups with click outside them
Ongoing design fixes and polishing

New reference and more search options

Help’s getting closer

Checkvist’s reference was quite outdated for some time. And the situation was getting worse - you can hardly get time and hands enough to code new features and put them into the reference, especially when you know it’s already obsolete :-)

But somehow we’ve managed not only to completely re-write the whole thing, but make it smaller, and (we’d like to believe) better structured.

We’ve also added visibility to the help-related things and collected all of them under a typical Help menu in the toolbar:

Now we promise not to publish a single little feature without documenting it first :)

New search options

To view recent changes in Checkvist one can use the changed: search syntax (both for filtering and for global search). We’ve added more options to this query to make it more flexible. Now you can ask for changes within hours, days or weeks:

1h - 1 hour
2d - 2 days
3w - 3 weeks

For the ‘month’ option you can use the old ‘current month’ and ‘previous month’ syntax.

You can find all search reference by typing ? on any list page.

More to come

We plan to continue balancing between developing new features and improving old ones. The next targets are hoist, due notification improvements, and repeatable tasks along with UI polishing and bug fixes, of course.

Task delegation and better teamwork

Checkvist has gradually become a rather feature-rich application. Every time we plan a new feature, there’s always a competition from the old ones waiting for improvements and enhancements.

Today’s update is a case of such improvement - we’ve decided to bring more value to task delegation and assignment.

Multiple assignees and access in read-only mode

Unlike a typical issue tracking system, Checkvist now allows more loose task assignment rules. Press ae, select several people from the list of your collaborators, and all of them will get email notifications.

This can be a stopgap for the task watching: an assignee is automatically watching all task updates, including changes in its sub-tasks.

There’re also some enhancements to the list editing permissions: even in the read-only mode an assignee can open/close tasks assigned to them and add notes or attachments to those tasks.

Now you have more options in organising the collaboration between your teammates or clients: with the new task assignment the read-only mode is not so restricted, but is still controlled by the list owner.

Search

New search conditions are has: note and has: attachment. Assignee search and filter now supports not only @ prefix, but also assignee:

Other fixes

Two additions to the Copy dialog: an option to clear colours and to copy users and permissions.
Faster keyboard support initialisation (Gravatar loading issue).
Fixed a bug when after moving a closed task under parent with all closed children tasks, parent was closed regardless the options (thanks @Olli).
Ctrl+Shift+Enter shortcut to open the target list from the bookmarklet (thanks @Ricardo)
Fixed the list switching in the Firefox sidebar (thanks @Rachel)
Fixed hiding the “hide notes” link.
A rather technical, but still extremely important: Rails 3.2.11 upgrade (security issue).
UI improvements: small steps towards better usability and design here and there: search page, search parameters hints, some dialog windows, etc. More in the works.

UI improvements and better support of Android tablets

Between feature development there always should be some time for fixing and polishing. So here’s a server update with nothing new but a bunch of fixes and improvements:

We have changed the approach for showing popups in the top navigation bar. Now you can click the link instead of mouse-overing a small triangle.
Besides there is a clearly presented “Add new list” option in the Lists pop-up ll. You can still use the filter field to create a list - just type the new list name and press Enter, but now you also have a visible UI control for that.
Owners of iOS/Android devices are no longer forced to use limited mobile version of Checkvist. They can use the full Checkvist UI, with some touch-enhancements we implemented previously for iPad.
We had a problem with checkboxes and buttons in popups on new iPads. No longer.
Fixed a buggy scrolling in the “assign” popup.
Better URL recognizing - Checkvist becomes smarter when parsing URLs in task texts and when accepting links via lnk: smart syntax
Also, lnk: popup won’t hide if you switch to another tab to copy URL from it (thanks @Ivan Verkhozin)
Checkvist bookmarklet should work again in older versions of Firefox on Windows (thanks @Ricardo Salta)
We’ve fixed a bug when list update on the beta site didn’t lead to update of the list page on the main site - changes were visible after full page refresh only (thanks @Olli)
Some smaller UI enhancements

The first iOS App for Checkvist by Mobile-Tonic

The friends at Mobile-Tonic have just released the very first native iOS app for Checkvist.

Says Bruno Tortora:

Now you can check your lists, add notes or even swipe to mark a task or a list as done. You can see lists in colors (when set from the Web) and set due dates and even a calendar event. Easy access to create lists and tasks. Quick collapse and expand to have full picture of your lists status.

The app works offline, covering not only the first but partly the second most popular feature request as well. Thank you, guys!

So, feel free to get the app at iTunes store and leave your feedback and suggestions for the app developers in a Checkvist list.

Creating and using Checkvist Inbox via API scripts

There are few things more pleasing than seeing your customers create great extensions for your product :)

A recent blog post by Gabe Weatherhead on creating and using Checkvist Inbox via shell scripts describes how you can define the “Inbox” list and send there tasks via iOS (Pythonista + LaunchCenter) or desktop (KeyboardMaestro).

Not only are we pleased as product developers, we’re going to use the new feature ourselves (especially for note taking on iOS).

Other examples of great use of Checkvist’s Open API are, among others, TimeCalc from Warren Harrison and minimalist Checkvist chrome extension from Luka Kladaric.

Thanks a lot, guys for extending and improving Checkvist :) If anyone wants to write their own extension and needs some help on the Open API, just let us know.

P.S. There is an update for Gabe’s Checkvist python script by Sean Korzdorfer, which brings notes and tags to the table.

Calendar apps integration

Starting from today you can integrate Checkvist due tasks with calendar applications that support the iCalendar format. This feature is available in PRO and trial accounts.

How does it work

You configure and copy the iCalendar feed link in Checkvist
Paste the link into your calendar application
… and Checkvist due tasks become available as events in your calendar

You can find calendar integration dialog either on the top right corner of the Due page, or you can get it from the Due dd popup window. The name of a calendar event is constructed as list name + task content. URL of the task is attached to the event as well.

ASAP tasks are converted either to ‘today’ events, or to Calendar TODO items, as you specify. There are also several options on how to choose lists for the tasks which go to the calendar.

The link should work with any application supporting iCalendar feed format: MS Outlook, Google Calendar and iCal among others. Some instructions on integrating can be found here.

And the last note - the implemented feature doesn’t support Google Tasks integration with Google Calendar, there is a separate request for that.

Easy linking between lists

When working with multiple lists, you inevitably come to a situation when you want to reference one list from the another, i.e. create a link between lists.

For a long time, Checkvist allows creating such links using a wiki-like syntax [list: | referenced_list_id]. But using such syntax requires quite some efforts — finding out the ID of the referenced list, looking into the reference for the syntax, typing the text, saving to make sure the syntax is correct. Not nice.

Of course, there is also the “Extract list” command (xx shortcut). This command allows to extract any part of the list as a separate list and propagate existing sharing permissions. Much better, but what if you already have a list you want to link to?

From now on you can just type lst: to get autocompletion popup for selecting a target list name. If you have an existing link, you can choose its target the similar way, just place the cursor after the [list: and the list chooser will appear:

Bonus: creating links

Shortly after implementing lst: we thought it may be a good idea to use a similar approach to create ordinary links. So, you can type lnk: to get a simple popup for inserting links:

Google calendar integration

Attachments, markdown, team discounts, and a new hosting provider

This server update is dedicated to the two main things: new functionality and new hosting provider.

Starting from the latter. Dear Rackspace, we used your hosting for about four years, but last months were disappointing. We admit, that your “fanatical support”(tm) saved the situation several times, thanks for that. But with VPS hosting you never know, who will be your neighbor on the host and how they will overload the disk. Having faced with bad neighbors several times, we decided to use a dedicated server and will do everything to make it as stable as possible. Our provider for the dedicated server is LeaseWeb, and so far we haven’t got problems with them (keeping fingers crossed).

The features part is not very new for those who followed our recent experiments on the beta server.

Attachments

This is the most visible part of the server upgrade. As usual, we tried to make it as keyboard friendly as possible. Everything you need is under your fingers:

Select a list item and type at to invoke the attachment dialog window (you can upload several files at once). Use tab/shift+tab to navigate within the dialog.
You can attach files from you local disk, or from the web. In the latter case, you can link to the remote file, without uploading it to Checkvist servers.
Smart syntax with completion img: lets you embed images into text.
Arrow left/right or up/down to select an attachment, press Enter (or mouse over) to preview the image, del to delete attachment.
Drag-n-drop files from your desktop.
Click the file name link to open the image/file.
Type sd to show attachment details.
Filter current list to show only tasks with attachments using “with-attachment” keyword
On the Disk Usage tab of the profile page you can see which lists have attachments and the used disk space.

Team accounts

Team accounts are for those who want to give PRO accounts to their family, friends, or colleagues. All members of the same team account share the same list customization - logo, colors, etc. A company style, so to say :)

Disk space within one team account is calculated as 512MB*[number of users].

For one person Checkvist PRO account costs now $19 per 6 months (ab. $3 per month). But all teams, even as small as Checkvist’s own team, get discounts:

2..5 users - 10% discount
6..14 users - 20% discount
15+ users - 30% discount

Trial access

For those who are not sure whether they need a PRO account, we’ve decided to replace our “14 days money back” policy with the “14 days free trial period” option. No credit card, no nothing. Feel free to add as many users to the PRO trial as you need. Even if you decide to stay with the free plan, no data will be lost, and you can continue using the tool.

Markdown

After multiple requests we implemented basic wiki formatting for Checkvist (Markdown). You can enable Markdown syntax for your lists on the profile page.

Besides we fixed some annoying things that you help us find and nail down:

Custom CSS styles and logo that you define in your lists are visible to all other users (say, if I have my own logo and styles, your lists will be displayed with your logo, not with mine).
List author permissions can be changed anytime in the Share dialog window.
gg shortcut now works in notes as well
Fixed the bug with the ‘show details’ mode which turned itself on
Enlarged radio-button size in the mobile version
More accurate calculating for the task counters on the index page - invalidated tasks are not included.

Well, all this said and done, the best news is that now we can continue with a new design, lots of polishing, and new features after all!

Summer mood

While coding the new features that will bring attachments, team accounts, and markdown support, we realized that it’s a middle of the summer already.

And it means that we’ve missed our tentative deadline for the release at the “beginning of summer”. Well, anyone who put a “due” mark on a complicated task knows how often it happens.

So we apologize. And given that the price will definitely go up with the new release, we decided to run a sale of PRO accounts with a nominal $9.9 per 6 months. Those who subscribe now will pay that fixed price for all upcoming releases, whatever changes we make.

Back to coding!

Update: The summer sale is over, and the price is back to $15 per 6 months. You have at most 2-3 weeks to subscribe with this price - it will be higher for individuals after the release.

Attachments: beta preview

It’s been quite long since we’ve started working on attachments, and much longer since we anticipated this core outlining feature. Enhancing your structured text with images, attaching bigger documents, we needed this feature just like anyone else.

How does it work

As usual, full keyboard support! Everything you need is under your fingers :-)

at on a selected list item to attach a file (upload several files at once)
Smart syntax with completion img: lets you embed images into text
Arrow left/right or up/down to select an attachment, press Enter (or mouse over) to preview the image, del to delete attachment
Drag-n-drop files from your desktop
Click the file name link to open the image/file

Try it live

Currently you can try it on our beta server. After we update the main server, the feature will be available only to PRO users (500MB per user), but on the beta server anyone can go wild within the modest limit of 50MB per list :)

Feedback

As usual, we rely on your feedback. There are a couple of missing features, that we know of (and will eventually do): search by file name, dragging-n-dropping attachments between the list items, integration with Dropbox, Google Docs, Box.net. But may be we were blind to some more obvious problems? Do tell us, we’re listening!

Time estimation with TimeCalc

An outliner like Checkvist is great for creating a hierarchy of tasks, breaking a large problem into smaller doable steps. But when it comes to the ‘proper’ project planning, one might need time estimation abilities, which Checkvist didn’t have.

Before Warren Harrison closed this gap in functionality with his TimeCalc Chrome extension.

After you’ve estimated the time for separate tasks (which you set with tags like 5h or 8d, or in any other format you prefer), TimeCalc will automatically calculate the total time needed for the parent list items:

A number of options give you flexibility in setting and calculating time for your projects (setting tag formats, including or excluding time for the closed tasks, etc).

And finally. Not only is this extension free, but its source code is available on github, so if you have an idea on how to make the tool even better, go ahead, let’s code :)

Couple of fixes that couldn't wait

Well, actually, three that we better publish before finishing a big update:

Better textarea expanding while typing. When you concentrate on typing a long passage of text, the less you’re disturbed by the user interface moving and twitching, the better.
Checkvist used to catch up with your typing to open enough space “on demand”. Now we’ve implemented a more quiet and smoother behavior.
No more accidental task deletion by holding the “Del” key - an awkward situation, as described in our forum. Now Checkvist handles this problem by deleting only one task (you have to release and press Del again to delete more).
Fixed the incorrect permission setting for people who were invited by a PRO user (if a PRO user invited people with the invitation link, Checkvist paranoidly restricted them to the “readers” rights. No more!)

It was a small server update, just to ensure that Checkvist works best for you even without new features. But now we’re hurrying on :)

Subscription payments are suspicious. Now I pay you, the next day I forget about your service but you’ll be charging my credit card till the end of days.

We never wanted this kind of reputation, always suggesting money-back in case we saw a person unsubscribing after the payment.

But of course there’s a simpler solution, that’s been staring at us all this time. We can prevent such unwanted payments by notifying people in advance about them. (Thanks, @Olli, we were that stupid not to think about that ourselves)

Now all our customers will receive a next payment notification one week before the payment, so they have to decide do they want to continue paying or downgrade to the free Checkvist version.

Other payment options, along with group plans are also coming, but it will be a topic for another post :)

List reset and multiline task import (with mobile)

It really takes time to make a noticable change.

Despite all excitement of working on the next big thing (more on this in a separate blog post), the ongoing maintenance and bugfixes should also take place.

Type ‘reset’ to reopen all tasks in the list

Some people have the same set of tasks to accomplish regularly, weekly or monthly. The typical approach is to put such tasks into a separate list, and complete them whenever required. You had two options to reopen all the tasks for the next time period: either press ‘space’ on each completed task, or create a copy of the list with all tasks opened (Checkvist has such an option in the copy dialog).

Now, there is an additional option - you can type reset and all closed/invalidated tasks in the current list will be reopened. You can undo the operation, if needed. If you forget this shortcut, press ? to see full shortcut reference.

Option to separate imported tasks with an empty line

Checkvist has a rather complex import feature, which allows to import either OPML or indented text. For the text, the indentation of the line is treated as the task nesting level, permitting to import a whole task hierarchy. Moreover, in the imported text you can use smart syntax like ^today #bug @kir.

In this release, we’ve added another import option - separate tasks with an empty line. This new option allows to import multi-line tasks (see the picture). The indent of the first line is still used to specify the nesting level of the task.

Adding multiple tasks at once in mobile UI

Checkvist mobile UI doesn’t allow to work offline. This is a pain, which we’d like to address in the future.

But until then, we decided to allow entering multiple tasks at once. So, you can type several tasks in some text editor on your mobile device while being offline, and when you have an Internet connection, you can import all these tasks into Checkvist with one step.

To enable multi-task import, tick the corresponding checkbox (see the picture). Now you can add several tasks at once, separating them with an empty line, and use smart syntax.

The default values for due, tags, and assignee are applied to all imported tasks unless you use smart syntax to set them explicitly.

- We’ve fixed some problems with the ‘mark done’ command in due notification e-mail: added visual feedback via a “humanized” message and a possibility to UNDO the operation
- Increased “Remember me” duration to 90 days (was 30)
- Fixed bug: iGoogle gadget and Checkvist Chrome extension didn’t redirect to the last visited list when corresponding option was enabled
- Fixed bug when selection wasn’t passed to bookmarklet in GMail
