I recently saw a question regarding line breaks in the table of contents – OpenOffice does not allow you to edit a table of contents except through styles. Sometimes the way that long headings are formatted might not be what you desire.

One thing to note about the TOC is that the line breaks that you insert in the heading itself will be reflected in the TOC.

Example:
Putting in a manual line break (Shift + Enter) in this heading:

will result in a line break appearing in the Table of Contents:

Note that OpenOffice is a free software – if you buy this version, you are buying the support, which is not normally available with free versions of OpenOffice (other than through a very active community).

I had previously posted a link to Go-OO as a lite alternative to OpenOffice, however this app seems to have changed its focus:

Speed

Compatibility with WordPerfect graphics

Compatibility with MS Excel Spreadsheet macros

This is good, however that still leaves an issue for those that don’t want to download the 150Mb file (v. 3+) from OpenOffice.org, and deal with a footprint of this size.

PortableApps includes OpenOffice

Another alternative is to run the PortableApps Suite – you can run on your USB, as designed, however I have friends who run this on their hard drive due to their need for a smaller footprint.

So whether you want OpenOffice and other apps for your thumb drive (USB memory stick), or just want to run OpenOffice on your computer’s hard drive, PortableApps might be an option for you.

When you use the Tools –> Mail Merge Wizard in OpenOffice, it is quite limiting in that you are restricted to ending up with an address block. The way to insert other fields is not as obvious.

I have put together the tutorial below to guide you through my way of tackling a requirement of inserting fields in a document that are merged from a separate data source. These fields do not necessarily fill up an address section, but may be used in other parts of the document.

Assumed software: OpenOffice v.2.0 (minimum)

STEP 1: The Data Source

Have a spreadsheet (either MS Excel or OpenOffice Calc) with the data ready. You can use other data sources, however for the sake of this exercise, we will use a spreadsheet.

STEP 2: Set up the merge document

This is the document which you will be using as the basis for the merge. Type it out in Writer with all the spaces provided for the data that you wish to merge. In the example below, I have three spaces – next to ”Dear”, ”Username” and ”Password”.

STEP 3 – Connect the data source

Click on Insert –> Field –> Other…

Then click on the Database Tab, and then click on the ”Browse” button and select the spreadsheet you wish to use as your data source. (Click on the image below for a larger version)

[Click on the file above to enlarge screenshot]

This will add the data source to the list.

STEP 4 – Insert the fields from the data source in to your form/letter.

(1) Select ”Mail Merge Fields” (see picture above)

(2) Then in the right hand pane, click on the ”+” sign next to the spreadsheet name, and the sheet name, until you can see the heading names from your data source.

[click on the above screen shot to see this enlarged - repeat items 3, 4 & 5 from this step until you have added all the fields to your document]

(3) Click on the name of the field you want to insert into the document

(4) Click on the space in the document where you want the field to appear

(5) Click on insert

When you have inserted all the fields in the document, close the insert fields box (click on ”Close”) and you should be able to see the fields in your document, something like the following.

Now you are ready to merge.

STEP 5 – Perform the Merge

Select Tools –> Mail Merge Wizard

When the wizard window pops up, select ”Use the current document”

Then on the left side of the box, click on ”Save, print or send” (highlighted below).

You will then get a window that states ”creating documents…”

Step 6: Saving and Printing the merged document(s)

From here you will need to decide if you want one large document, or many small documents… whether you will save the merged document, the original document or just print – it’’s entirely up to you. My usual tendency is to save the merged document as one document, that way I can do global replace or fiddle if I need to do anything prior to printing. Once finished I usually delete the merged document.

Living in a metric society, it is much more convenient to have OpenOffice talking to me in metric measurements, rather than in empirical measurements.

So I had fiddled with locals and other such measurements, however this did not seem to change the values presented when I clicked on Format –> Page.

To do this, I followed the steps below:

Open OpenOffice Writer

Click on Tools –> Options

Click on the + sign next to OpenOffice.org Writer (expanding the menu)

Click on General

Change the measurement unit from inches to cm

Click on OK

Restart OpenOffice

I found that changing the measurement setting in OpenOffice Writer also updated the measurement setting in Calc as well. If you find out that this is not the case, please advise in the comments.

I had to play media from an Impress Presentation today, and was hoping to work from my Ubuntu laptop, however ran into a few hiccups along the way. Here are some notes from my experience – I hope that anyone that comes across this (a) finds it useful and (b) if they have anything to add/amend, please post it in the comments.

Inserting Media – Menu Items

I tried to Insert –> Object –> Video about 50 times without success before I hit the subject forums and learned that in OpenOffice 3.0 that you need to Insert –> Movie and Sound. Yay! It worked! Movie media inserted!

Formats

In Windows with OpenOffice Impress, both avi and mpg worked OK for me.

In Ubuntu, however, I found the avi file repeated the movie playing side-by-side (like there was 1.5 instances of the movie playing next to each other simultaneously). This occurred in the player I was using as well as OpenOffice, so I’m not sure that it was an Impress problem. I abandoned my Ubuntu laptop and drove to the office to get my Windows laptop – I’ll let you know if this is something that I can fix. At this stage, my thoughts are that I will need to convert avi to mpg in order to play within a slide in Impress on Ubuntu.

Settings

One thing that was immediately obvious when I inserted the movie media was how do I get the movie to scale to the whole screen? The first few times I tried to play, the movie played in a little square in the middle of a big black frame, even though I had dragged and expanded the object to fit the entire slide.

I then tried to right mouse button click a few times and explored all the options in the context menu, and then I noticed this extra toolbar at the bottom of the screen

Media Playback Toolbar

This toolbar had a few key options which controls what happens to the media when the presentation arrives at this slide.

(1) Determines what the media will do when the slide is first shown. Will it stop (default, i think), play, pause or loop?

(2) At what position will it commence playing? You don’t have to start play from the beginning of the media! Very cool option!

(3) Sound (volume and mute)

(4) Size – do you want it 50% of the original size, 100% of the original size, 200% of the original size or scaled to fit the whole screen?

I hope you are able to get your presentations up and running with minimum difficulty. I don’t know that doing this was hard – it was simply a matter of knowing where the controls are – figuring them out was pretty intuitive. Ubuntu is a little behind in their media playing capability, so I’m not sure if no avi playback is strictly a ‘bug’ as yet. Good luck to you all and hope your presentations are a hit!
