Using EndNote via Dropbox

The creators of EndNote (Thompson Reuters) do not recommend using EndNote libraries stored in cloud based services, i.e.

"Dropbox is a cloud based file sharing service. Our database products (EndNote, Reference Manager and ProCite) were not designed for compatibility with this service or other cloud storage. While you can use the service to keep a backup copy or share a compressed copy of your database file(s), we do not recommend opening and/or using the database from that location. If you have your database files saved to Dropbox or any cloud storage, we recommend you copy the files to another location on your computer or remote drive before you open them.

Some of the other cloud storage services that would cause this issue include Sharepoint, Google Drive and iCloud."

At CSU we have encountered a number of users with corrupt EndNote libraries ... caused by the use of Dropbox.

If you plan to use EndNote on multiple computers we normally recommend the use of a portable USB drive for your working EndNote library. Backing up your library regularly to a computer.

EndNote X6 provides improved integration with the cloud based EndNote Web (free to CSU staff and students) and provides another option for syncing you EndNote library across multiple computers - see http://libguides.csu.edu.au/endnote

EndNote X6 now available for use by CSU staff and students

The latest version of EndNote is now available for use by staff and students.

EndNote X6 can be installed on CSU staff computers though the install software desktop icon. Users who wish to install the EndNote on their own computer may either download the software from the DIT web page:

https://online.csu.edu.au/division/dit/software/core.html or borrow an installation CD from the library.

New features in EndNote X6

• More options to insert in-text citations in CWYW, i.e. ‘Author (Year)’

• View and annotate .pdfs within your Endnote library

• Improved integration with Endnote web

• Compatibility with Windows 8 and Mac OS 10.8.

Problem with filename length for PDF attachments in Windows

Due to a file name length limit in Windows (256 characters), EndNote will have problems with linked PDFs with long names or files that are nested too far down in the folder structure. Also, any non-alphanumeric characters can pose problems for PDF attachments in your EndNote library.

To avoid losing any attached documents, names for attached files and EndNote folders should be kept as short as possible. Also, the EndNote library should be stored in an easily accessible folder location that is not too many levels down from the root directory.

In the following example, the file path contains 447 characters. This will cause your PDF reader to fail to access the required document via EndNote:

C:/users/username/My Documents/PhD Research/Literature and Resources/Endnote Library/My Endnote Library.Data/PDF/Yokoyama2007Prediction computer program for whole body temperatures and its application under various working level and thermal environmental condition combinations/ Yokoyama2007Prediction computer program for whole body temperatures and its application under various working level and thermal environmental condition combinations.pdf

A solution would be to move the Endnote folder up several levels and to rename the PDF with a much shorter filename (thus using only 105 characters for the file path):

C:/users/username/My Documents/EndNote Library/My Endnote Library.Data/PDF/Yokoyama2007/ Yokoyama2007.pdf

Hyphens, full-stops, commas and any other special characters should not be used for file or folder names in Windows.

EndNote X4 and Microsoft Word Starter 2010

The Faculty Liaison staff have become aware that some PCs are being sold with a packaged version of Office called Microsoft Office 2010 Starter. Microsoft Office Starter includes a cut down version of Word and Excel. There is a significant difference between the Starter version and the full version of Office (see below), notably, the EndNote toolbar will not work with the Starter version of Word.

Are Word Starter and Excel Starter different than full Word and Excel?
Yes, Word Starter and Excel Starter are reduced functionality versions of the full versions of Microsoft Word and Microsoft Excel. Word Starter and Excel Starter include features for basic authoring and editing, but lack more powerful features like the ability to track comments and changes in your documents; password protect your documents; create tables of contents, footnotes, citations or bibliographies; perform advanced data analysis such as with pivot tables; and the ability to customize the Ribbon and Quick Access Toolbar.

This means that you cannot use the EndNote X4 cite-while-you-write tools with Microsoft Word Starter. If you have purchased a new computer and you cannot get the EndNote toolbar to appear check to see if you have the Starter version of Word. If so, you will need to upgrade to a full version in order to use the EndNote X4 cite-while-you-write tools.

Endnote X4 at CSU

Are you still struggling with manual referencing? Are you not sold on the benefits of referencing software such as EndNote? If you are a staff member or a post-graduate student why not talk to a Faculty Liaison librarian? If you are already using EndNote, are you using an older version with less functionality? EndNote gets better with every new release. EndNote X4 is the latest version available to staff and students at CSU. The benefits of upgrading to EndNote X4 include:

1. Improved program responsiveness. EndNote X4 is quicker and more responsive that previous versions of EndNote because it contains fewer pre-loaded referencing styles, filters and connection files (the rest of these files can still be downloaded from the EndNote support site).

2. Compatible with Microsoft Word 2010 and Mac Word 2011.

3. Import reference data directly from compatible PDF files (PDFs must contain the appropriate metadata, including DOI numbers).

4. Use the EndNote search facility to search through the contents of attached PDF files (with text PDFs, not those created from scans).

5. New quick edit tab allows you to edit references without having to open them.

6. Create group sets or new groups based on combinations of existing groups.

7. Improved duplicates handling – view duplicates side by side and edit them in the duplicates window.

8. Add hyperlinks between in-text citations and corresponding item in the reference list.

9. Enhanced tools for managing and editing in-text references.

10. Improved footnote handling for footnote based referencing styles, such as Chicago 16th.

11. New auto-group created for references used in any currently active documents.

You can get the latest in referencing software free from the CSU Library. Staff and post-graduate students who are concerned about the impact of upgrading to EndNote X4 should contact a Faculty Liaison librarian for more information.

Downloading records with publication dates of 2010 or later

Thomson Reuters have reported a problem downloading records with publication dates of 2010 or later. When importing records from 2010 or later, the record may have a blank in the Year field.

This problem effects EndNote version 8 to X2.

There is an update available for EndNote X2 (Windows and Mac OS X) from here

The Thomson Reuters EndNote FAQ suggests workarounds for version X1 and earlier, and allows users to register in order to be notified when patches become available.

New EndNote Connection File For The CSU Library Catalogue

Due to the recent update to the Library catalogue, the old CSU connection file no longer works (for searching the Library catalogue and adding references from there to EndNote). A new connection file is available for download from the Plugins page (under 'Connections') on the CSU Library's EndNote website.

You will need to save this new connection file to the following directory:

C:\Program Files\Endnote X?\Connections

*Please ensure that you overwrite any previous versions of this connection file as they are now obsolete.

Also:
*Please note that this connection file will not work on-campus at the moment. We are currently working on fixing this problem. If you have any questions or need to get the connection file working on-campus, please contact your Faculty Liaison librarian.

American Psychological Association (APA) 6th Edition Style Update

The EndNote® APA 6th Style is now available. The updated style is dependent on an accompanying change to the reference type matrix. Both files are provided in the download package along with installation instructions.

Mac OS X 10.6 Snow Leopard & CWYW in Pages 09

Thomson have reported compatibility problems with EndNote CWYW in Pages 09 and the new Mac OS update:

Thomson " ... do not recommend anyone who is relying on EndNote and Pages integration upgrade to Snow Leopard at this time. When an update or a workaround for this issue is released, this page will be updated."

Diffferent fonts appearing in in-text citations & references

If you enter, edit & save EndNote records using the default ‘Plain font’ and ‘Plain size’ settings, EndNote will automatically adopt the font and size of the text in your MS Word document.

If fonts, sizes or styles, other than the default ‘Plain …’ are used in your EndNote records, the text will appear in that format, regardless of the font formatting used in your MS Word document.

EndNote users may end up with different fonts in their Endnote library if they cut and paste text from other sources/documents into EndNote when they creat a records. In which case, selecting the text in your EndNote record and then choosing 'Plain font' and 'Plain size' will overcome this problem.

Updated MLA Output style

The latest edition of the MLA style manual introduced a number of significant changes to referencing requirements.

There is an updated version of the EndNote MLA output style that can be downloaded from the Thomson Reuters EndNote web page at http://www.endnote.com/support/enstyles.asp This new output style, dated 9 March 2009, was not included in EndNote X2.

Hyphenated author names

At a recent EndNote workshop , we were asked how to enter a hyphenated name in an EndNote record so that it is rendered correctly in EndNote using the APA 5th referencing style.
eg.
Yeh, Ryh-Song

If this author's name is entered in EndNote as Yeh, Ryh-Song it will be listed in the corresponding reference as Yeh, R.-s. MS Word accepts Ctrl + Shift +_ as a non-breaking hyhen, but this does not work in EndNote.

One way to overcome this problem is to enter it as an hyphenated corporate author.
i.e.
Australia,, Department of Immigration = Australia, Department of Immigration
Yeh,, Ryh-song = Yeh, Ryh-Son

The corresponding in-text citation when using the APA output style will then appear as (Yeh, 2009).

Displaying / Hiding field codes in MS Word

When you use CWYW in MS Word to include in-text citations, EndNote includes information in the document, about the corresponding references in hidden field codes.

EndNote users occasionaly, inadvertently toggle the 'switch' to display the field codes in MS Word ... without then knowing how to hide them!

Pressing Alt + F9 in MS Word will display / hide the field codes

It is recommended that you do not view field codes in Word. If you choose to view field codes, please do not modify them. Always keep backups of your papers!

EndNote MasterClasses

Library faculty liaison staff will be conducting a series of EndNote MasterClasses in 2009, for academic staff and postgraduate students. These workshops are intended for current EndNote users who want to ‘do just a bit more’ with EndNote, and will include:

*what's new in X2?
*using term lists to improve consistency and accuracy of information in your
library, and manage abbreviated journal names
*managing in-text citations with CWYW
*formated vs unformated references
*combining chapters in a thesis
*creating or modifying referencing styles
*options for collaboration with other researchers
*using OpenURL links (SFX) to locate the full text of journal articles

Have you been able to install Endnote X2 yet? This new version is better than any before and is worth updating. Keeping up with the newest version also means that there is more consistency across the university which means that library staff can offer you better support. EndNote X2 is now available for use by CSU staff and students.

This version is compatible with Windows & Mac computers, and includes a range of new features:
*improved compatabilty with Widows Vista
*new tools menu in EndNote & Word
*additional groups options eg. Smart Groups
*deleted references are now temporarily stored in a Trash Group
*records downloaded from databases are now automatically saved in the currently open library
*three different modes related to online searching
*a new Tab Pane that replaces the previous Preview Pane, and separate Search and Preview Panes
*date stamping of records; each record now displays Added to Library and Last Updated dates
*more easily accessible option to compress and email a library
*downloaded or customised referencing styles are now saved in your personal folders rather than with the EndNote Program files

Note: If you are upgrading from a previous version of Endnote and have created any referencing styles or filters, you will need to copy these files to a temporary location before installing EndNote X2.

Missing toolbar in Word

A number of users have recently reported that the EndNote toolbar has 'disappeared'. This may happen if MS Word incorrectly reports the the EndNote plugin or add-in is corrupt.

The CSU EndNote FAQ that advisers users how to fix this problem has recently been updated.

Corrupt Word document

The cite-while-you-write (CWYW) feature in EndNote makes referencing almost painless. But some users occasionally report that their cursor jumps to another section of the document when inserting or editing in-text citations, or formatting the bibliography. This problem may be caused by corrupt EndNote field codes in the document.

EndNote inserts hidden field codes in a Word document when you use the CWYW function, ie. when you insert an in-text citation, EndNote also includes information about the reference in hidden field codes. When you select a formatted in-text citation and use the Edit Citation(s) tool to Remove the citation, all the data in the associated hidden field codes is removed. When you make wholesale changes to a document that includes EndNote references, eg. cutting and pasting multiple sections of text, you may leave behind some of the field code data, and hence corrupt the Word document.

The following procedure should clean up the field codes in your document:

Make a backup of your document.
Unformat the in-text citations:

Word 2007: Go to the EndNote Web tab and choose "Convert Citations and Bibliography > Convert to Unformatted Citations."

Word 2000/XP/2003: Go to the "Tools" Menu and choose "EndNote Web > Unformat Citations" command.

This will also remove the reference list.

Select Ctrl+A on the keyboard to highlight everything.
Select Ctrl+6 (above the "T" and "Y" key) to remove any additional hidden field codes.
Select Ctrl+C to copy the highlighted text.
Open a new document and use Ctrl+V to paste.

You should now be able to format and edit this cleaned up version of the document without encountering the previous problems.

Note: This procedure will also remove other field codes and some formatting used by Word.

Using EndNote for collaboration

Displaying corporate authors using the APA 5th output style

Corporate or institutional authors are normally entered in an EndNote record with a comma after the authors name, ie.

The APA 5th output style in EndNote will then display this reference in the form:
American Psychological Association (2001). Publication manual of the American Psychological Association (5th ed.). Washington, D.C.: American Psychological Association.

But, the APA manual (American Psychological Association, 2001) requires the use of a full stop after the authors name, ie.
American Psychological Association. (2001). Publication manual of the American Psychological Association (5th ed.). Washington, D.C.: American Psychological Association.

This can be achieved by including a full stop after the authors name, but before the comma, eg. American Psychological Association., in the EndNote record. However, the full stop will then also appear in the in-text citation when you use the EndNote cite-while-you-write (CWYW) function, ie. (American Psychological Association., 2001).

The resulting in-text citation can then be edited to remove the full stop. You might be editing the in-text citation anyway, in order to include an acronym in place of the full name of the corporate author - see http://endnoteblogcsu.blogspot.com/search/label/acronyms for details.

Importing records from Libraries Australia

Footnotes and EndNote CWYW

Having created a footnote or endnote in Microsoft Word, you can cite references in that footnote or endnote in the same way you cite them in the body of the document. The CSU Library EndNote Tutorial notes (Part 3) provide a step-by-step guide to creating footnotes using the Chicago 15th A output style.

Corporate or institutional authors

When entering corporate authors, put a comma after the name:
U.S. Department of Agriculture,
Apple Computer Inc.,

This ensures that the entire name is treated as a first name, so no name manipulation will be applied.

If your corporate author name includes a comma in the name itself, use two commas in place of the first comma:

University of California,, Irvine

EndNote treats this as a last name followed by a blank first name. Then, everything after the (blank) first name is appended, including a second comma in the name. The formatted result is the corporate name with the comma in place.

Transferring references from a Word document to EndNote

Having discovered the potential of EndNote for managing references, organising and accessing electronic copies (PDFs), and generating a bibliography, new users will often ask if it is possible to convert a bibliography that they have previously created in Word, to an EndNote library. There is no easy way transfer the information in a Word document into an EndNote Library. The obvious options are to:

Manually enter all your data into EndNote, using copy-and-paste.
Locate the references in a database or library catalogue, and download them to EndNote using direct export or a filter. Using the connection file for the Charles Sturt University Library catalogue , or even downloading records from Libraries Australia can help with this process.
Do some basic editing of the Word document so that the references can be imported into EndNote for further manual editing.

If you are working in the biomedical science area, and your bibliography consists largely of journal articles that would be included in the Pubmed database, you may be able to use the HubMed citation finder to automate much of the transfer to EndNote. In a test using a bibliography in a Word document with 20 references (originally found in Medline) I was able to locate and import 50% of these references directly into EndNote without any further editing using HubMed.
