Get the Most Out Of Your Work Flow With Mind Maps

When you have a full schedule and limited time to complete tasks on time you need to ensure you get the maximum out of your Work Flow Processes.

You need to organize yourself in such a way that you can get things done in an orderly manner so you are not working in circles.

For me there is five phases to organizing your Work Flow and when you use them with powerful visual software like The Mind Mapper USB you can become much more efficient in all that you do and get your day’s work done in less time and stress than may find now.

The Five Phases Of Mastering Your Work flow:

(1)Capture all your information in once central place and make this your “In Box” (Emails, Voice Mails, Notes, Task Lists – get these out of your Short Term memory use Mind Maps to create a central dashboard .

When you create a Mind Map as your central Dashboard you can ensure you have all pertinent information at your finger tips in a snap.

TRY THIS…..

Make A Mind Map Of Your Day to Day tasks, create this as a daily Map, or Weekly Map. When you create the Map place all tasks in separate nodes such as: Projects. Calendar, Next Actions, Waiting For. Attach Files and Hyperlinks to websites relating getting these completed in each node. You will find that if you spend a couple of minutes per day (preferably at the end of the day before) doing this you will save at least an hour per day and have a clear visual view of your day and what needs to be done.

(2)Once you have collected all your information in a Mind Map organize and process them :

IF IT IS NOT ACTIONABLE –
Lose it from your Map or place it in a sub Map for possible action later or reference later.

IF IT IS ACTIONABLE -
decide on your next action and where in the Map you will place these: Project (that you have a commitment to finish in that day), Calendar (actions that need to be completed on a specific date or time.

Next Actions (Actions to be done as soon as possible), Waiting For (actions and projects others are supposed to be doing which are related to your Work Flow.

When you have created these branches in your Map then create Sub Branches to the these main branches and break them down further (calls, errands, things to get) Add Branches for Longer horizon goals and values that influence you.

Add checklists that may be useful as needed (job description, event trigger lists, org charts etc..). Maintain a general reference filing system for information and materials that have no action but which need to be retrievable. Maintain an “On Hold” system for triggers of possible actions at later dates (Someday/Maybe lists, Calendar, Tickler).

Maintain support information files for projects as needed (can be kept in reference system or in pending area)

(3)Review: Calendar and action lists daily (or whenever you can possibly do any of them). Conduct a customized weekly review to clean up, update, maintain and advance your systems.

Review the longer horizon list of goals values visions as often as required to keep your project list complete and current.

(4)DO: Make choices about your actions based upon:

*What you can do,
*How much time you have,
*How much energy you have and then your priorities.

(5) Be Prepared: Stay Flexible by maintaining a “total life” action reminder system, always accessible for review, trusting your intuition in moment to moment decision making.

Ensure the best intuitive choices by consistent regular focus on priorities (What is the value to me of doing X instead of Y) revisit and recalibrate your commitments at appropriate intervals for the various levels of life and work.

SimTech Systems will shortly be releasing MindMapper 2009, this will be a very significant release of MindMapper with lots of new features and enhancements.

We have been provided a sneak peak of what we can expect from MindMapper 2009:

New Ribbon style menu: that will make navigation a lot more clearer and straight forward, based on “process oriented menu placement” a way of grouping most commonly-used features into the one place, this reduces the number of Mouse clicks and provide users with short cuts in creating Mind Maps. The Sub menus have also been organized into place in order to maximize business process flow.

Brainstorming Made Easier: With ability to add Post it Notes on your Mind Maps with a single click on the mouse and color code the Notes as a Traffic light task system. You have the ability to create notes more visually so you can continue with your brainstorming session with ease and efficiency.

Hand drawn Maps: MindMapper 2009 will provide the ability to create Maps that have a great hand drawn effect and enable your Maps to become even more visual.

My pen: The ability to color and highlight text has been a much sort after improvement to Mind Mapper and enables you to grab the attention of certain aspects of your Mind Map.

Improved Export Features: MindMapper 2009 will offer the ability to export over 10 levels of your Mind Map into MS Word and also export images that you have inserted into your Notes in Mind Mapper, plus you will also have the ability to import Outlines from your MS Word Documents.

New Idea Templates: We have now included new Templates that can automate the production of 6 common types of business maps where ideation is required: radiant association, brainstorming, attribute listing, cause-and-effect (fishbone), backward thinking and SWOT analysis. Such instances of these are ribbon toolbar button to create a radiant association map,

You will be prompted for a map title, and then you can automatically create up to 6 empty topics around the main topic, each containing three empty subtopics for you to fill in.

Branches: MindMapper 2009 now comes with improved Branch enhancements to enable you to organize your Maps and make them more clearer and visually effective, the drag and drop of branches can now be done with simple mouse movements.

There are also a host of other features and enhancements in MindMapper 2009 and we will be introducing these these in the coming days.

What is Effective Cause & Effect Analysis?

Cause and Effect Analysis is a technique designed to find the root cause of problems, the
reasons behind and subsequent effects of the problems.

There are many benefits to using this method. It provides a format with a strong structure and
helps you to ensure no details are forgotten about.

It focuses on identifying contributing factors to the problem, assuring that all causes are identified and the problem is less likely to recur.

It also allows visual identification of possible causes, which means that once you see
your causes laid out in front of you, more thoughts are likely to be triggered and gaps are identified.

To be effective at Cause and Effect Analysis, you must be aware of all supporting information.
There can’t be any gaps when you gather the information at the start of the process.
If there is, this will render any analysis you reach as flawed.

Traditional Approach

Traditional methods of information gathering use notepads, flipcharts and whiteboards to list causes and effects.

People still come up with great ideas but often these ideas are forgotten about in the jumble of information gathered.

There is often too much information with no clear structure and it is impossible to see any links between effects let alone causal ones.

As a result, many Cause & Effect Analyses don’t work as well as they could. Often there is little action as a result of there being no clear path to follow in the gathered information, and hence no route from plan to action.

This problem, as we will show, is overcome with Mind Mapping.

Cause & Effect Analysis with Mind Mapping:

Undertaking a Cause & Effect Analysis with Mind Mapping is simple and straightforward.
As with most activities, there is an underlying process, or sequence of activities that it’s best to follow for a successful outcome.

The general process associated with Cause & Effect Analysis is shown below:

1. Agree effect (problem) and approach to be used to address it - it is important that

everyone who is involved in the process understands, and is in agreement with the problem that is being addressed.

2. Identify major causes - initially explore what might be major causes of the effect.

3. Break down causes - for each of the major inputs identified above, break them down systematically to identify as many secondary inputs as possible. Add new major causes as and when they are identified.

4. Evaluate causes - analyse causes to prioritise or estimate likelihood/impact of occurrence.

5. Investigate further - having identified which of the inputs are more likely to occur or areas of uncertainty, investigate further.

6. Identify root causes - based on evaluation and any further investigations carried out, identify root causes and confirm.

Okay, ready to go? Firstly you need to decide what the problem or effect is. This is vital.
This can then be noted as the title in of your Mind Map.

2 Identify major causes

Using the map you can start to brainstorm the major causes of the effect. The templates give you major cause groupings that you should explore but you may need to add your own too.

3 Break down causes

Your map may become complex, but don’t worry, as you can navigate your way around your map easily using the Map Explorer feature. You can drill up, down and sideways and you can focus in on specific areas of your map. This is ideal because this means you can see the big picture but focus in on the detail too. You can home in on one branch and brainstorm all the sub-causes without being distracted by the other causes. This helps you to focus in on each major cause in turn. You can brainstorm and identify all causes and contributing factors.

4. Evaluate causes

With Mind Mapping you can re-arrange your causes using simple drag-and-drop mouse actions. This is useful as you may realize there is a more logical order as you continue through the process. If you think causes are linked but don’t belong together on the map you can use a Mental Connection to link them. This means you can see at a glance that the ideas have some elements in common.

5. Investigate further

You should now have gathered enough information to identify areas that could be root causes to your problems. You now need to pay them more attention to find out if they are indeed the main reason behind your problems. You can now gather information relating to and then seek to understand the factors that caused this and identify any potential root causes.

6. Identify Root Causes

Now is your chance to identify the real root causes. This can be done through further brainstorming and breaking down of the causes and/ or interviewing other members of staff and attaching supporting documents to branches using the attachments icon. You can use categories to identify areas that are the same, for example all the issues where staff incompetence was a contributing factor or where tight turnaround times led to problems.

New maps can be quickly generated to give a different perspective by automatically Creating Category map. You can also visually differentiate branches within the map by using color and shape.

So when we go through this process we can see just how effective Mind Mapping can be. A Mind Map will provide you with clarity of thinking and greater productivity.
