This creates a file with the extension .enlx that can be  emailed or transferred on a memory stick.&lt;br /&gt;
&lt;br /&gt;
To create the compressed library:&lt;br /&gt;
&lt;ul&gt;&lt;li&gt; open the library &lt;/li&gt;
&lt;li&gt;go to the FILE menu&lt;/li&gt;
&lt;li&gt;select "Compressed Library" near the bottom of the drop down menu&lt;/li&gt;
&lt;li&gt;choose whether to include attachments (caution: sending all the attachments could make the file large and possibly violate copyright)&lt;/li&gt;
&lt;li&gt;name the file (the default name is the original name of the library with the &lt;i&gt;.enlx&lt;/i&gt; extension)&lt;/li&gt;
&lt;/ul&gt;When you send this file to someone, then need to save it somewhere then double click the file which will create the .enl file and .Data folder for the library, using the name of the compressed library as the library name (e.g., &lt;i&gt;mylibrary.enlx&lt;/i&gt; will create &lt;i&gt;mylibrary.enl&lt;/i&gt; and &lt;i&gt;mylibrary.Data&lt;/i&gt;) &lt;br /&gt;
&lt;br /&gt;
&lt;b&gt;A word of caution:&lt;/b&gt;&lt;br /&gt;
If you save the compressed library to the same folder as an existing library with the same name (e.g., &lt;i&gt;mylibrary.enlx&lt;/i&gt; saved in the folder where &lt;i&gt;mylibrary.enl&lt;/i&gt; resides) the original .enl file will be overwritten. This is good if you are "taking turns" adding to the library.&amp;nbsp; But if you have made separate changes to the library on your computer, opening a compressed library with the same name will &lt;b&gt;NOT&lt;/b&gt; sync the libraries, you will lose all the changes/additions you made to the library. &amp;nbsp;&amp;nbsp;&amp;nbsp; * Double click the file “EndNote X4.0.2 Updater”&lt;br /&gt;
&amp;nbsp;&amp;nbsp;&amp;nbsp; * Follow the prompts to complete installation.&lt;br /&gt;
&lt;br /&gt;
&lt;br /&gt;
Open EndNote and Word:&lt;br /&gt;
&lt;br /&gt;
&amp;nbsp;&amp;nbsp;&amp;nbsp; * Then open EndNote from the Applications Folder or the program icon (do not open EndNote by double clicking on a library).&lt;br /&gt;

Then click on the star button next to the "Search" button. In the drop down menu that appears, select "Set Default".  Now whenever you go to the PubMed online search, the field to search will be set to PMID.&lt;br /&gt;&lt;br /&gt;You can set each search to a different default. How about somewhere to annotate the citations?&lt;br /&gt;&lt;br /&gt;The "Research Notes" field is not used in any of the import filters or connection files, meaning that you can safely add text individually or to a group of references at once without fear that you will overwrite any information.&lt;br /&gt;&lt;br /&gt;If you use the "Research Notes" field for keywords, you can turn on the indexing for that field:&lt;br /&gt;&lt;ul&gt;&lt;li&gt;Go to the "Tools" menu&lt;/li&gt;&lt;li&gt;Select "Terms Lists" then "Define Term Lists"&lt;/li&gt;&lt;li&gt;Click on "Create List" on the right&lt;/li&gt;&lt;li&gt;Name the list and click "OK"&lt;/li&gt;&lt;li&gt;With the new list highlighted, click on "Link Lists" on the right&lt;/li&gt;&lt;li&gt;Scroll down to the Research Notes field&lt;/li&gt;&lt;li&gt;Use the arrows on the right to select the new list&lt;/li&gt;&lt;li&gt;Click "OK"&lt;/li&gt;&lt;/ul&gt;&lt;br /&gt;Now when you begin to type a keyword into the Research Notes field, the auto complete feature will be on and offer words as you type.  If you have similar terms in your Term List (i.e. "chemical synthesis" and "chemistry") use the arrow keys to scroll through the list of terms when the first suggested term appears.&lt;br /&gt;&lt;br /&gt;New keywords will be added to the index automatically. Be sure to separate your terms in the field with a semi-colon (;) or a carriage return (hit "Enter" between terms) to ensure each term is indexed separately. In this view you will see all the red lines and notes. If you have made changes to the references, you will also see several versions of the reference list in red. When you show the document in “Final” view, however, it will look correct.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;Making changes to citations and references:&lt;/span&gt;&lt;br /&gt;Even though you could simply delete in-text citations and references (the red line will appear) thess changes may not stick when EndNote reformats the bibliography. Those references will reappear!&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;To properly remove a citation:&lt;/span&gt;&lt;br /&gt;    •    Locate the in-text citation,&lt;br /&gt;    •    clicking on it (it should grey out),&lt;br /&gt;    •    go to the EndNote toolbar or ribbon,&lt;br /&gt;    •    select “Edit Citations”.&lt;br /&gt;    •    Be sure the correct citation is highlighted,&lt;br /&gt;    •    click “Remove”.&lt;br /&gt;    •    Repeat, if necessary, for each in-text citation of the reference (to remove all occurrences of a reference).&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;Turn off Instant Formatting:&lt;/span&gt;&lt;br /&gt;If you do not want to see multiple lists of references in red while making changes, turn off the Instant Formatting feature of CWYW:&lt;br /&gt;    •    In Word, go to the EndNote toolbar or ribbon,&lt;br /&gt;    •    select “Format Bibliography” (in Word 2007, select the small arrow in the right corner next to the word “Bibliography”),&lt;br /&gt;    •    go to the “Instant Formatting tab,&lt;br /&gt;    •    click “Turn Off” (if the button says “Turn On” then the feature is already off).&lt;br /&gt;    •    You can activate it later, or just use the “format Bibliography” button when needed.&lt;br /&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;Turn off Track Changes:&lt;/span&gt;&lt;br /&gt;After accepting all the changes, turn off Track Changes before formatting the bibliography, (or at least change the view to "Final" instead of "Final - showing markup").&lt;br /&gt;&lt;br /&gt;In Word 2007:&lt;br /&gt;    •    Go to the “Review” ribbon.&lt;br /&gt;    •    If the “Track Changes” icon is a different color then the ribbon it is active.&lt;br /&gt;    •    Click the icon to turn it off.&lt;br /&gt;&lt;br /&gt;In Word XP/2002, or 2003:&lt;br /&gt;    •    At the very bottom of the document window, where the page number and section number are displayed, you should see four three-letter words, listed as "REC", "TRK", "EXT" and "OVR".&lt;br /&gt;    •    If the TRK option is in black text, then Track Changes is currently enabled.&lt;br /&gt;    •    To turn off Track Changes, double-click the TRK text.&lt;br /&gt;&lt;br /&gt;On a Mac:&lt;br /&gt;    •    At the bottom of the document window, the box next to TRK would be selected (blue).&lt;br /&gt;    •    To turn it off, deselect the TRK box.&lt;div class="blogger-post-footer"&gt;&lt;img width='1' height='1' src='https://blogger.googleusercontent.com/tracker/5333082036863702663-2187130337277964204?l=everythingendnote.blogspot.com' alt='' /&gt;&lt;/div&gt;&lt;img src="http://feeds.feedburner.com/~r/EverythingEndnote/~4/7Bsl6Y6E-hc" height="1" width="1"/&gt;</description><link>http://feedproxy.google.com/~r/EverythingEndnote/~3/7Bsl6Y6E-hc/using-track-changes-with-endnote.html</link><author>noreply@blogger.com (Angela M.)</author><thr:total>2</thr:total><feedburner:origLink>http://everythingendnote.blogspot.com/2010/04/using-track-changes-with-endnote.html</feedburner:origLink></item><item><guid isPermaLink="false">tag:blogger.com,1999:blog-5333082036863702663.post-3444130547735869661</guid><pubDate>Wed, 10 Mar 2010 23:36:00 +0000</pubDate><atom:updated>2010-03-10T15:53:27.526-08:00</atom:updated><category domain="http://www.blogger.com/atom/ns#">collaborating</category><category domain="http://www.blogger.com/atom/ns#">tip</category><category domain="http://www.blogger.com/atom/ns#">sharing</category><category domain="http://www.blogger.com/atom/ns#">compressed library (.enlx)</category><title>Multiple authors/collaborators</title><description>If you collaborate on editing a document and use EndNote to add references, there are a few things you should be aware of.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;Separate EndNote libraries:&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;Separate authors working on a document can add references from their separate EndNote libraries and the document will remember the references. You don't have to use the same library or export all the reference to one common library!  However, do be careful not to "unformat" the citations, as this will lose all the information about references not added from the current author's EndNote Library.&lt;br /&gt;&lt;br /&gt;You should also check that each author has the following setting in their EndNote software to merge duplicate references added by separate authors:&lt;br /&gt;&lt;br /&gt;In EndNote &lt;ul&gt;&lt;li&gt;Go to Edit menu &lt;/li&gt;&lt;li&gt;Choose "Preferences" &lt;/li&gt;&lt;li&gt;Select "Formatting" from the left menu &lt;/li&gt;&lt;li&gt;Make sure the option "Merge duplicates in bibliography" is checked. &lt;/li&gt;&lt;/ul&gt; Check the reference list for duplicate references. These can occur if the record from one library has minor differences, such as title in all capitals, journal abbreviations, etc. from the record in another author's library. It is easier to check for duplicates in a format that lists references alphabetically by author, rather then a numbered format.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;The compressed library option:&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;If you do decide to share your library with other authors, be sure to use the "Compressed library" feature in versions  X3 to send someone your library.  This creates a file with the extension .enlx that can be emailed or transferred on a memory stick. Did you add a custom field to a reference type, eg., added Custom2/PMCID to Journal Articles? If you import new references to the library, the fields may not appear the same on records imported by 2 different users.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;Change Case&lt;/span&gt;: Did you set up certain words to retain their capitalizations, e.g., DNA, tRNA.  These will not be carried over to the other users when they open the library.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;Display Fields&lt;/span&gt;: While this will not effect the content of the records, it could be confusing, as each user may have different columns showing in the library.  Rest assured, when you double click a record to veiw all the fields, they will be in the "standard" order.&lt;br /&gt;&lt;br /&gt;&lt;span style="font-weight: bold;"&gt;Find Full Text&lt;/span&gt; and &lt;span style="font-weight: bold;"&gt;URLs &amp;amp; Links&lt;/span&gt; settings: Again this will not mess up the library, but it could change how one user finds full text articles, or how the PDF is tracked/saved.&lt;br /&gt;&lt;br /&gt;If you would like assistance or more information about multiple users accessing EndNote libraries, contact the library.
