There are numerous online articles about organizing your computer. What’s fascinating to me is that most (pretty much ALL) of them miss the mark when it comes to actually organizing so you can find files fast! Let me give you specific examples.

“How to organize your computer to find information faster”

If you google “how to organize a computer,” the #1 listing is a Microsoft.com article, “How to organize your computer to find information faster,” giving you these tasks for better organization:

Clear out your old, unnecessary files;

Back up important files;

Clean out your email;

Organize and clear out your Internet files

If you’re like me, you’re probably scratching your head and wondering, “Where’s the organization info?“ All 4 of those things should be done, no question, but will any of them help you find your files faster or more effectively organize your system? The answer is clearly NO.

The article suggests “you might want to consider saving these items:”

Tax and legal information

Project-related files

Favorite digital images from the year

Plans you could leverage for future projects

Important email messages

Customer information

That’s better, but still a far cry from an actual system. Towards the end, for Internet organization you’re offered, “To organize your Favorites in Internet Explorer, on the Favorites menu, click Organize Favorites.” It also recommends installing IE 8 or 9. If you want some concrete examples of how to organize your computer, download the free chapter of my book, “Computer Chaos Control.” If you want a system for great computer organization, buy the book. In 20 minutes you’ll be so glad you got it! If you’ve ever spent more than five minutes looking for something in your computer, go get that book!

The second article google lists is on the popular software review/download site, tucows.com, titled “How to Organize Your Computer: Look at ways you can get your computer organized,” by Michael E. Callahan, known around the world by the trademarked name Dr. File Finder. His advice is much more helpful and on target:

“Early on in my use of computers I realized it was important to know where you had things. If you can’t find a thing than it’s basically like you don’t have it at all, right? Now, keep in mind that the advice I’m going to give is stricly my opinion. I don’t know if anyone has written a definitive guide to organizing your computer, but I’m sure if they did that was their opinion too.”

Mr. Callahan then proceeds to layout a brief action plan for Documents, Downloads, and Program Organization, which touches on some of the initial parts of the system explained in “Computer Chaos Control.” For “Documents,” he tells you to create the following folders (and USE them!):

Mom

Dad

Sister

Brother

Family

Taxes

Scouts

And so on

Under “Downloads,” he says, “If you always save downloads to the same place you can’t lose one. You’ll always know where the files you’ve downloaded have gone.” That’s a very good start to a useful folder system. Then for “Program Organization,” Dr. File Finder tells us this critical policy:

“… every computer I own has a similar directory (folder) structure. Why? Well, primarily because it makes everyone feel comfortable no matter what comptuer they’re on. That’s one of the big reasons behind the success of the fast food giants like McDonalds and Burger King and Taco Bell — familiarity. You can go into a McDonalds in New York or one in Los Angeles and they’re pretty much the same. Makes you feel at home and comfortable. It all seems very familiar. Why shouldn’t your computer be the same way?“

Then he maps out another folder directory, revealing that “All of my data and most of my programs are on Drive D and the directory structure of every Drive D on every computer is the same. Each folder is for specific types of programs. So, a list of the folders looks like this:”

Comm

Data

Editorial

Email

Internet

Tools

Utilities

Callahan concludes, “Having this uniformity on multiple computers also makes it easier to synchronize files between computers. … Every ‘My Documents’ folder has the same subfolders. And they are synchronized at regular intervals. So, if my entire computer were to crash and even my backups were destroyed virtually every file could be found on another computer on my network. Redundancy! It’s as good as a backup.”

“Think of your computer like you would your house. If you just dropped things wherever you happened to be in your house, soon you wouldn’t be able to find anything. Garbage, papers, clothes, toys, cans, bottles, milk jugs — yeah, it would be a mess. Instead, most people have a special place for trash, a hamper for clothes, a recycling bin for bottles and cans. There’s a place for everything and everything should be in its place. … Your computer should be no different.“

You can see the first two articles found from searching online for “How to Organize Your Computer” will return some helpful info, but if you’re looking for a complete system to find files fast, you won’t find it anywhere other than here at http://www.findfilesfast.com.

Computers and Technology: Personal Tech • Published: February 16, 2010

Effective storage of your computer data is directly tied to the way you assign names to files. Knowing how the computer sorts files based on the date format is also a huge time saver. No one teaches us this, so we need to get it somewhere. This is the place! Having a reliable system that you use consistently throughout your computer will save the average person literally hundreds of hours annually.

Microsoft Office Online (2003) says: “Statistics show that you can reduce the amount of time you spend finding and filing data by as much as 50 minutes a day by having an effective reference system in place.”

That’s a whopping 300 hours a year! (Above, when I said “hundreds of hours,” you thought I was exaggerating, didn’t you?)

So it’s worth taking the time to implement a strong computer filing system.

NAMING FILES

When naming a file you create, include specific details that will be meaningful to you in the future to remind you of the file’s content or function. For example, a weak filename would be “agenda.doc”; a better name is “091207_Christmas_Party_Agenda.doc” – the date is given in order of year, month, day (Dec. 7, 2009) for optimum sorting purposes, and an appropriate description of what’s in the file is used so the file doesn’t have to be opened to discover its contents.

DATING FILES

Why should you list dates by “year, month, day”? Files and folders are sorted alphanumerically by computers, so you will benefit most by naming files with numbers for dates rather than names. This list demonstrates what happens with various date options:

3-09……………When sorted follows “10-09″ (the computer thinks “1″ comes before “3,” so it doesn’t sort properly).

May 2009……..When sorted follows “June 2009″ (“J” precedes “M” – doesn’t sort properly).

06-2009……….When sorted follows “05-2009,” but also follows “05-2010″ (sorts properly for year 2009, but not for following years).

2009-12-07…..When sorted follows “2009-12-06 and anything prior (yr., mo., day sorts properly).

091207………..Also sorts properly. This is the preferred date format in the computing world. If your files precede 2000, then you’ll have to use the 4-digit year (“1999″ comes before “2000,” but “99″ comes after “00″).

Some people ask, “Why put a date in the file name when the date can be seen in the ‘Details’ display of folders and files?” The obvious answer is the date displayed by the computer may not describe the date of the event, but rather may be the date the file was created or last modified. Another answer is that you may want to sort a long list of files by date and it’s easier to look at one column instead of two.

To demonstrate how a computer stores and sorts files or folders, let’s say you went to Cedar Point Park, OH for a vacation on July 29, 2005 (which I really did and you can see my sub-folder of pictures from the article I just mentioned). How you setup the date is critical to the entire system, since the computer sorts in an unfriendly, robotic fashion. You have flexibility here, but it’s important to decide on a system and stay with it. You can’t label with months first, because the computer automatically sorts alphabetically, which means your months would be in this order:

April August December February January July June March May November October September

Not very helpful, right? Instead, to work within the computer’s parameters, you could put 2005 and then the month and date, in this order:

2005, July, 29th

So it’s year/month/date in computer language. (The year 2010 will follow 2005 with this system.) That’s probably the best way, but I prefer to shorten it, to make it look like this:

05, 07, 29

That’s “05″ for 2005, 07 for July (the seventh month), and 29 for the day. When you put them all together, it’s:

050729

Then I add the description after the date:

050729 Cedar Point Park OH

The system works by using the date as the sorting mechanism, then adding to the date a description of the activity or event. You have the freedom to add as long a description as necessary for you to identify the event.

It will take you a little time to get used to the year-month-date format, but once you do you’ll never go back, because it’s so logical and easy to remember.

FINALLY! A set system to follow, to find files fast!

How many hours have you spent looking for a photo? And how many times has that happened?

Remember that classic photo of your daughter at the game back in 2005? It’s the one you wanted to frame for the grandparents that you’ve spent the last two years looking for. What month was the picture taken? Where did I save my pictures that year? Can you even remember what computer it was on? That was FIVE years ago!

With the photo storage system you’ll learn here, within seconds of starting to search you’ll easily be able to find photos by event and date of event. This system works with ANY computer operating system: Windows, Mac, Linux, whatever.

Organizing your pictures in a way you can find them is a simple process if you have a system. The biggest challenge in setting up a filing system is deciding what categories to use. I’ll give you my serving suggestion, which will make your life MUCH easier once you set it up. And of course you can alter it as you see fit. Follow this system, set it up ONCE, then use it every time you file, and you’ll love your computer and be the envy of everyone who knows you.

This system is so easy – here’s what my “Pictures” folder looks like:

+ Pictures

+ 2005

+ 2006

+ 2007

+ 2008

+ 2009

+ 2010

Of course there are sub-folders underneath the folders for each year – for example, the “2005″ folder has the following sub-folders:

Pictures

+ 2005

You may not be able to figure what all that is, but I know every single event and can remember several of the photos stored there, just from the folder description I created! Not only do I have everything organized and labeled, but I have essentially setup an automatic journal of the highlights of my life that year.

Why sort by date? Because it’s an automatic way to remember, and the simplest form of folder setup. Any other method complicates things and forces you to remember a lot more detail to find things. For instance, if you sort by type of event such as “kids sports,” you could then break that into sub-folders of basketball, baseball, football, soccer, gymnastics, tennis, etc., but eventually you’d have to sort by date under all of that anyway. Instead, with the system I have above, you can almost always remember WHEN an event took place, making it much faster and easier to find things.

To learn about the reason for the event dates (“050120″) setup the way they are above, read my article, “How To Name & Date Computer Folders & Files For Fast, Effective Organization.”

One more organizational note for the photo section: I store my own home videos in my photo folder. That way, I have personal photos and videos together for much easier searching, since events are labeled once, with one folder for everything. Also, it’s less work for me if the photos and videos both came from the same camera or camcorder, which is increasingly the case. And best of all, that way I can relive memories in both picture and video.

Now you know how to store your photos, see how you can sync your Downloads Folder with your Start Menu.
The “Start Menu” of the Microsoft Windows Operating System is a great shortcut resource, if it’s not a clogged mess. Cleaning it up requires knowing a little bit of inside info that most people haven’t taken the time to research. I compiled that info for you here.

YOUR START MENU’S TWO LISTS OF PROGRAMS
The Start Menu on your Windows computer consists of two menus, both of which are lists of programs your computer can run or start:

The first menu is the one that pops up when you click the Start button (or with the new Windows 7, whatever you call that Microsoft logo thingy at the bottom left-hand corner of your screen) – it lists shortcuts to programs that you want fastest access to and presumably that you use most often.

The second menu is accessed at the very bottom of the first menu, where you’ll see a link to “All Programs,” where Microsoft plops a shortcut to every program you install, whether you want that done or not.

Note about differences between Windows XP and Vista/7: The XP menu pops up so you can see both first and second menus, while Vista & 7 let you see one or the other, but not both.

Most computer users have figured out that they need to go to the “All Programs” menu to find new programs they install, or hunt there for programs pre-installed on the computer. It’s really a weird setup, but that’s what we have.

The Start Menu isn’t meant to be a filing cabinet of documents, although you actually have the ability to make it that way if you choose. For simplicity and practical purposes, we’ll focus only on getting your programs organized in a logical system.

ADDING PROGRAMS TO YOUR START MENU
We’ll deal with the “first menu” first, the one that pops up when you click the Start button. This list represents only a few of the programs on your computer. For any program that you use (that “runs”), you can add (or “pin,” the term Microsoft uses) it to the Start menu. You are really only creating a shortcut to the program’s actual execution file which is stored elsewhere. But by pinning a program to the Start Menu, it will appear there when you click the Start button and then you can run the program with just two mouse clicks.

To pin a program, go to Windows Explorer and right-click on a program – that will display a menu. Then choose “Pin to Start Menu.” That’s all there is to it. You can also go to the “All Programs” section and right-click on one of the programs there to generate the menu to “Pin to Start Menu.”

There are several other ways to put a program on your Start Menu, including dragging an icon from your Windows Explorer or desktop, directly to the Start button. I won’t cover any more of that here, but it’s not hard to figure out.

Removing a program from the Start Menu list is just as easy: right-click it and choose “remove” (or “unpin”).

My Start button lists about 20 programs that I use regularly. You will have similar space for your favorite programs, depending on the size of your screen and the font (text type and size). Everything else should go on the second menu, “All Programs.” This menu can be as big as you want it to be.

CHANGING THE “ALL PROGRAMS” SECTION OF YOUR START MENU
You change the programs listed by right-clicking the Start button, then selecting “Explore All Users.” You can also choose the “Explore” or “Open All Users” options, but I like to make changes for all users, one time.

That opens a new window for you, where the same contents you see in the “All Programs” menu are listed in Windows Explorer, and now you can alter the contents as you normally would alter contents using Windows Explorer for “My Documents” or any other Windows folder.

The Start Menu is part of, and changeable in, Windows Explorer. By accessing “Explore All Users” through the Start button, you’re really just taking a shortcut to Windows Explorer. If you’re extra-computer-savvy, you’ll notice the folder location at the top and observe this very important section is buried so deeply inside your folders that it’s almost useless to attempt to explain, let alone remember, where it is for quick access via Windows Explorer. However, for the bold, here’s the Windows Explorer location of the start menu:

C:\ProgramData\Microsoft\Windows\Start Menu

In the minds of most sane people, this forces the instant question, why did Microsoft set it up that way? I have no logical answer, and I doubt Microsoft does either, so just remember to access your “All Programs” with the right-click and “Explore All Users” choice described here.

If you are not already familiar with changing your Start Menu “Programs” options and need a lot more help, learn here for Vista and here for XP.

If you look around in your computer and online, you’ll see references to “changing the Start Menu” – make sure you don’t get confused between two different functions: one is for altering the appearance, and the other is for changing the contents. At the links given in the previous paragraph, for the appearance, find Microsoft’s guide to “Customizing the Start Menu” at the BOTTOM of the Vista link and the TOP of the XP link.

MULTIPLE USERS ON ONE COMPUTER
If you have multiple users setup on your computer, and/or you are not the “Administrator” or don’t have administrator privileges, then you’ll have to do things differently, and here we’ll refer you to Microsoft’s directions (for Vista) and abandon this topic, since it could take another four pages to explain it properly, and that’s way beyond our focus.

Now that you know a little more about the Start Menu, you’re ready for my article, “The Ultimate Computer Organization System For Your Downloads & Start Menu.” And you can get my book to learn about the folders you can and should setup in your Start Menu “All Programs” list.

John Gordon Cini is The Technology Doctor and author of the book “Computer Chaos Control,” which:

shows you how to store EVERYTHING on your computer so you can find files fast,

explains how to setup folders for all your programs, and

gives you a system to sync folders across the programs you use most often (such as internet, email, songs, videos, and word documents).

New Computer Organization Book
Challenges Software Industry Standards

The recently released book “Computer Chaos Control” unveils the ultimate computer filing system and solves the problem that no one in the computer industry has been able to solve in thirty years of creating operating systems.

March 17, 2010 | Washington, DC

As computer storage sizes get larger and larger each year, and as people conduct more and more of their lives online, the mountain of data to search keeps growing and growing. Without a set filing structure, your ability to find things over the next decade could easily become more and more difficult.

The book’s author, John Cini, who’s been researching his new system for years, says, “Give me 20 minutes and I’ll save you hundreds of hours over the next decade!” He describes the book as a quick read that helps both computer novices and experts create a logical filing system to instantly find anything in their computers. “The system works for ANY computer, whether you have an old Windows operating system or a new one, or an Apple, or a different computer.”

Burke Hedges, who has sold 4 million copies of books he authored, such as “Who Stole The American Dream,” said of Computer Chaos Control, “LOVE IT, LOVE IT, LOVE IT! Thank you for your very well thought out and put together book. I’ve read it and have already started to organize my computer. Well done!“

James M. Fisher, a Microsoft MVP awardee since Oct. 2003, recently saw an excerpt of the book online, then got a copy of the book from John and reviewed it on his site, www.windowstalk.org. Mr. Fisher’s reaction was, “If you are one of those individuals with your closets, cupboards, and drawers all highly organized, then this system is for you. If you are NOT one of those individuals, then this system is definitely for you!“

Mr. Cini says the book’s true value is in putting a price on a system that helps you to never have to hunt for a file again. “The computer filing system I explain in the book has certainly saved me countless hours over the last 5 years, and it’s done the same for huge numbers of people I’ve helped setup computers. Having a system in place that helps you remember where you put your files is SO important and so easy to do, but most of us have never learned how to do that – no one has shown us how or given us a template to copy. This is unlike anything available anywhere today, online or offline.”

Does this sound familiar? “My desktop was an absolute mess, but I didn’t know where to put my important files and I felt like if I put them on my desktop at least I would know where they were. But it took me forever to find anything on my desktop …” That was the refrain from a number of people who previewed “Computer Chaos Control.”

Another reader commented, “I didn’t have much of a filing system before reading your ebook. Most of the time I would clump same-subject files together under ‘My Documents’. I’ve been looking for some kind of system like this for six years. It will save me countless hours of frustration looking for lost files. Your system gives me so much needed clarity not only to find my files, but the way I will categorize everything else in my life so I can find things easier.“

Mr. Cini suggested that the biggest problem with all the online help about “How to Organize Computer Files” is that every site tells you to “Create folders and sub-folders,” but they don’t give you any examples of a logical folder structure or how to remember where you put things. “It’s beyond me why no one else has developed a storage system like this INSIDE the computer operating system – you’d think some brilliant techie at Microsoft would have thought of this 10 or 20 years ago!” Mr. Cini said. “Here you have a book that shows you how to do it all in a matter of minutes, so you can take charge of your computer!“

Mr. Cini expects the ground-breaking system he’s introducing to quickly cause a change in computer operating systems: the book shows you how to manually fill in the current logical storage gap that exists in today’s computer operating systems.

In analyzing the computer industry’s lack of urgency in filling this void, Mr. Cini noted, “If the computer and software companies really wanted you to be secure in your computing, they’d solve this problem in no time. But they don’t want that! They want you to upgrade your computer or software every year or two, continuing the chaos as you move from one system to another.”

Mr. Cini, a US Army Veteran, known as “The Technology Doctor” to thousands of clients and associates over the last decade, studied computer science at Virginia Tech and was a computer programmer at the US Bureau of the Census in the mid-1980s when Microsoft Windows was first released. While at Census, he was assistant programmer for data collection software for the 1985 Census of Agriculture, and collaborated on the 1986 Computer Usage Survey, published in an early computer industry magazine.

For 16 years, while running a marketing business, Mr. Cini authored “Gray Matter,” a marketing newsletter with more than a thousand subscribers. In 2002, he wrote his first book, “Internet Shopping Basics.” Today he writes for 3 different blogs, with subjects on marketing, ecommerce, and current events.

FINALLY! A set system to follow, to find files fast!

You just downloaded a file from the Internet – do you know where it went? You installed a program on your computer – do you have to hunt for it in that huge mess of stuff in your “Start Menu”? Are these a constant source of stress in your life?

In the last month, how many hours have you spent looking for files? Ready for a change? Here it is!

If you’re like me, you love to surf the web and download tons of fun files. In a short amount of time, your “Downloads” folder can become a massive trash heap of files you don’t recognize and couldn’t file away if you wanted to. Worse, after you installed those downloaded programs, your trash heap gets duplicated onto your Start Menu as Windows slaps everything in there.

The key to controlling all those downloaded files is proper labeling and storing while you still know what they are. The secret is to setup your “Downloads” Folder and your “Start Menu” with identical folder structures (which means they are the same). That way, you have a logical place to transfer the things you download and also have a storage system for downloaded programs that you installed.

Note that for these two places you’re setting up folders of your programs, not folders of your personal categories. Here’s why: in the “Downloads” and “Start Menu,” you’re dealing with programs (or applications) instead of simple filing and storage. This can become quite confusing, particularly if you use your computer for a lot of important functions or business.

So now I’ll spell out exactly how to mirror your folders in each.

DOWNLOADS FOLDERS

Here are my “Downloads” folders: Downloads

+ Accessories, Utilities

+ Audio-Video

+ Camera, Printer, Scanner

+ Computer Maintenance

+ Games

+ Productivity

+ To Be Filed

When you see “Audio-Video,” remember that these are programs you install and run, not audio or video files that you’re storing. Don’t forget what kind of things are going into your folders. If I leave downloaded programs in the “To Be Filed” folder until I install them, it’s important to file them immediately after installation.

Also, when you download (which means “save to your hard-drive from the internet”) files that are just for storage, such as PDF files, Word documents, songs, videos, etc., you need to move them out of the “Downloads” folder to a proper storage folder in your “My Documents” section.

START MENU’S “ALL PROGRAMS” SECTION

[This discussion assumes you are familiar with the Start Menu and how to alter it. If not, please review my article, "Changing Programs Listed On Your Start Menu," or from the website at the bottom of this article, get my book, which has much more detail and illustrated screenshots.]

Here’s the list of folders in my Start Menu:

Start Menu

All Programs

+ Accessories, Utilities

+ Audio-Video

+ Camera, Printer, Scanner

+ Computer Maintenance

+ Games

+ Productivity

+ Startup

Those of you who are extra sharp may have noticed that list is exactly the same as the one above for “Downloads,” except for the last folder in each. You don’t want a “To Be Filed” in your Start Menu, and you don’t need a “Startup” folder in your Downloads. Two of the Start Menu folders, Accessories and Startup, are mandatory (or at least Windows thinks so, and will recreate them if you delete them). I don’t recommend deleting or renaming those two, since they serve important functions in Windows. It’s totally up to you what folder categories you choose, but you can use these 7 as a starting point. I’ve used those same 7 for years and never found a reason to change them.

SUB-FOLDERS

Under those 7 folders I have many sub-folders (all of which I list in my book). To give you an idea, here are the sub-folders under my “Computer Maintenance” folder:

Downloads

+ Computer Maintenance

- Backup, Recovery

- Diagnostic, Maintenance

- Networking

- Security

- Settings, Tweaks

- System Tools

Each one of those sub-folders has another list of folders and programs under them. Again, these are all user-definable, but until you have taken charge of all your programs, you can make your life much easier by using what I have here. In helping others control their computer chaos, most people I’ve consulted with just want a system to follow, and that’s what you just received. I’ve learned that “better” is the enemy of “done,” and it’s simple to initiate this system and be functional. As you incorporate this system, it will begin to make more sense as you see the benefit of being able to track your installed programs.

Now you know how to setup and sync your Downloads Folder and your Start Menu. To learn what to do with the REST of your data – “My Documents” files, emails, internet bookmarks, programs, photos, songs, video clips, everything – you have to get my book! (You didn’t think I was going to tell you everything, did you?)

To continue learning about The Ultimate Computer Organization System, read my article, “The Ultimate Computer Organization System For Your Digital Photos.”
