Intuit has turned off the sync for Intuit Merchant Services inside of Field Service Management.

UPDATE:

The Merchant Services issue has been resolved.  All customers integrating IFSM with Intuit Merchant Services should now be back online and able to process credit card payments in the field.  Please let your customers know and if any are experiencing any additional issues have them contact Corrigo Support.

Here are the recommendations from Corrigo:

IFSM Merchant Services Sync and Credit card processing – Connection tickets required for the IFSM and QB Merchant Services sync are no longer being issued for new accounts and have been turned off for existing customers by Intuit as of this week. As a result of this, IFSM no longer integrates with QBMS or any other mobile payment platform (Go Payment, Square, etc.). Customers will need to use some other credit card processing merchant (GoPayment, Square, etc.) to accept credit card payments in the field. The invoice will sync to QB as unpaid and will need to be reconciled with the payment on account to clear the invoice. This has been escalated to Intuit to let them know it’s a significant impact to our customers but, we don’t expect their decision to discontinue the connection ticket to be overturned.

Workflow Tips:
If taking payment in the field, modify the Work Done description to indicate successful payment (this information will sync and appear on the invoice inside QB).
If taking payment in the field, create a work order custom field called “paid in field” (Cash, Check, Credit Card), and have the tech update this if payment was taken.
Refer to QuickBooks: Refer customers to the QuickBooks Payment Team if they wish to discuss possible options.

This easy to follow video will walk you through how to change preferences in QuickBooks Desktop. Preferences allow you as the user to decide how you want QuickBooks to handle things or set personal or company preferences.

Preferences can be found by going to the top of the main QuickBooks page and select edit and then preferences.

• From the menu, select Edit > Preferences . The Preferences window opens.
• In the left pane, click the category for the settings you need to change.
• Each category includes the following two tabs. Select the appropriate tab. My Preferences . …
• Make changes to preferences as needed.
• When you finish, click OK .

How do I enter my CPA’s ADJUSTING ENTRIES?

You gave your Balance Sheet and your Profit & Loss Statement to your CPA to have your tax return prepared. Along with your tax return, your CPA probably sent you a sheet of Adjusting Entries to be entered into your QuickBooks® file. You’ll ask, “How do I enter Journal Entries?”

The easiest alternative is to call us, and we’ll log in to your computer or cloud service remotely and enter them for you. It will only take us a few minutes! (612-235-3435)

Here are the instructions to do it yourself:

1. Open your QuickBooks^® file.
2. Click on the Company drop-down menu on the top line of the window and select Make General Journal Entries.
3. Enter the date given by your CPA. Usually it will be 12/31 of the prior year, i.e. 12/31/19. Occasionally it will be for an earlier year such as 12/31/18. Take your CPA’s word for it. He/she knows what they are asking and why.
4. If the CPA numbers the entries, i.e. CPA-1, type that number in the Entry No. field.
5. Tab down to the Account field. Your CPA has listed the accounts for each line item. It probably looks like this:

Debit                      Credit
CPA-1 12/31/19      Depreciation Expense             1240.00
Accumulated Depreciation                                     1240.00

To record 2019 Depreciation

The CPA is supposed to list the debited account first, and the credited account second and indented. They will sometimes label the amount columns as Debit and Credit. That’s helpful too, as business owners may not understand how to determine whether an amount is a debit or a credit. So, follow these clues to debit and credit the correct accounts. Type the CPA’s explanation of the entry, “To record 2019 Depreciation”, in the Memo field of each line.

6. Click Save & Close when done or Save & New if you have more to enter. If several journal entries were given, you can enter each one on a separate Journal Entry, numbering them accordingly, or type them all on one Journal Entry. In that case, you could add the journal entry number in the Memo Field per the CPA’s numbers. If you have Adjusting Entries on different dates, enter those on separate journal entries per the dates given.

o Intuit Merchant Services records can be downloaded into QuickBooks using a simple command: ‘Make Merchant Services Deposits’.

You’ll find this on the Banking drop-down menu. This records not only the deposit, but also the fees; saving data entry time and eliminating human error.

QuickBooks payments can now automatically match and record most of the merchant deposits and fees for you.

The screen will show three tabs: ‘Add payments to record’, ‘Recorded’ and ‘Pending for deposit’.  Don’t forget about ‘View and search transaction details’ at the bottom right of the screen.  You’ll need to explore this link if you want to reverse a transaction, charge a card, reverse a transaction, accept an e-check, void an e-check or need other processing tools.  It’s also incredibly helpful when searching for transaction information. This is also where you can setup and manage reoccurring payments, too.

Tips for saving on credit card processing fees…

o Many processors, including Intuit will allow you to get a review and potentially a discount every six to twelve months. Criteria for a discount is often based upon an increase in your processing volume. If it has significantly increased, then ask what can be done and negotiate a better deal.

o Use the system made for your software. Time is money. Having to do double entry is time consuming and inefficient.

o Look for hidden fees. Published rates are only part of the story. Compare the overall price, including all fees. With a copy of your statement, our Intuit rep can offer an apples-to-apples comparison of what you would pay with Intuit Payments verses your existing processor.

o Swipe transactions, if possible. Swiped rates are lower. Add ‘Go Payment’ for payments on the go, at the client site or anywhere. Ask us about getting a card reader rebate with new service.

o Help reduce the potential for fraud. Have complete and accurate customer data. Use a card reader with chip technology for swiped payments.

o Getting paid faster is better. Check to see how long it takes for the money to get into your account after processing. This can vary greatly depending upon your credit card processor and the card type used. Typically, AMEX takes longer (except with Intuit).

o Work with someone you can trust. As an Intuit Premier Reseller and Solution Provider, our rates are often better than going through Intuit Direct (plus you won’t have to wait on hold, navigate their phone tree, get transferred multiple times or speak with someone from out of the country). Intuit QuickBooks Merchant Services is made to work with QuickBooks Accounting software and is fully integrated into the system.

It is by far the easiest and most efficient way to accept customer credit card and debit card payments.
