Choosing a Tracking System: Part 4 - Moving Forward

So now you have chosen a tracking system, implemented it, and analyzed the data. What’s next? That’s up to the goals that you set for yourself. For the last part of this series, it’s time to look at what you have accomplished and what still needs improvement. Ask yourself these questions:

1. Have you been successful in measuring the data you need?

2. Have you met the goals set for your fleet?

3. Are the changes you've made affecting your data the way you anticipated?

If your answer to any of these questions was “No”, then it’s time to re-evaluate your process. The change you need may require going back to the beginning of your process and choosing new metrics to measure your data. Or maybe a change that you thought would have a positive effect is actually making things worse. When trying to fix it, don’t just make guesses! Use your data analysis process to determine exactly why that change had unexpected results.

Making the most out of your GPS tracking system is an ongoing process. By continually evaluating and implementing changes, you can constantly improve the efficiency of your fleet operations.

Choosing a Tracking System: Part 3 - Analyze Data

For the third part of our May blog series we’ll discuss analyzing your fleet data. Analyzing data in a helpful way can be one of the trickiest parts of using your new GPS tracking system. We think Steve Saltzgiver, Director of Fleet Operations-North America for Coca Cola Refreshments, provides a great outline for analyzing data in a way that enables continuous improvement:

1. Define what you want to measure – This is most likely related to or the same as the function that was most important to your company in Part 1: Finding a Unit.

2. Determine what type of data to collect – Depending on what you want to measure you will need different metrics. Metrics for Fleet management typically fall into one of these categories:

a. Demographics (cost, depreciation, type, etc.)

b. Utilization (miles, hours, reservations, etc.)

c. Transactional (fuel, repair, accidents, etc.)

3. Report writing and data query tools – Different systems will have different reporting capabilities. FoxTrax’s report builder makes it easy to include the data that you want to see.

4. Trend analysis and evaluation (compare with peers, self) – Use your data to analyze your change over time.

5. Setting goals and objectives (reengineer) – Now that you know your weak areas, set goals based on your needs. Use your chosen metrics to track progress towards these goals. Re-evaluate on a regular basis to make sure you are making progress towards your goals.

Choosing a Tracking System: Part 2 – Implementing Your GPS Tracking System

This week we’re going to look at the process of implementing your new GPS tracking system. This may seem like a simple step, but in order to get the most from your software it’s important to take into account more than just physically installing the system into your fleet. These three steps will help you to implement your tracking system:

1. The first and probably most obvious step is to install your tracking system within your fleet. This will vary by system. FoxTrax systems make installation simple and our support staff is ready to help with any questions you may have.

2. The next step is to use your new tracking system to begin collecting and analyzing data about your current fleet operations. It is important not to make any changes right away. You need to develop a clear idea how your fleet currently operates before you can make worthwhile improvements.

3. Now it’s time to start making those changes. We recommend making changes one at a time so you can clearly track how each one affects your data. Use the information you have gathered in step 2 to determine which changes are important to implement first.

· What kind of reporting do you need?

o Various tracking systems allow you to set up and run different types of reports

· How often do you need updates?

o You can choose between systems that update you in real-time or systems that store data to be manually downloaded

After answering these three questions, you should have a clear idea of what exactly you need from a GPS tracking system. This will allow you to narrow down the GPS tracking systems you are choosing from.

Once you have found which systems meet your needs, you will need to compare them. We recommend making a list of the most important factors in your decision, such as price, support, and ease of installation. Use this list to compare these features between the GPS tracking systems that meet your needs. You may also want to review customer reviews and forums to find out about the experiences other customers have had with the systems you are considering.

Take It or Leave It

Is your company one of the thousands across the country that allow employees to take home corporate owned vehicles? Or is yours one of the many that have cut back or even restricted the use of company owned vehicles? Initially it was thought to be a benefit for specific employees (first responders, those involved with public safety, etc.) to have a corporate owned ‘take home’ vehicle. The vehicle was to be used for commuting to and from work and for work hours. However, with higher fuel prices and budgets being trimmed this practice has been scaled back.

For those businesses in favor of allowing ‘take home’ vehicles they cite the cost of housing and securing the vehicles during non business hours as a huge cost variable. Not to mention the fact that an employee, specifically those in safety vehicles, extends the time of service for communities.

A recent survey by Alphabet, a UK based fleet management firm, showed that 60% of fleet organizations list controlling fleet costs as a top priority for 2012. That information is not all that shocking (although we’d like to see what the other 40% answered). What is surprising, are the top ten ways Alphabet’s CEO listed for keeping costs low. Not surprising in that they were off the wall, crazy ideas – more so, that the ideas were simple and logical. Driver Safety Policy

A strategy to use GPS technology (like FoxTrax GPS) is a smart move when it comes to keeping your fleet and your drivers safe. Being able to monitor driver activity, record speeds and vehicles is a value that is sometimes difficult to put a price tag to. GPS – Global Positioning Satellite, not Artificial Intelligence

From its inception GPS systems have given governments, business and individuals benefits too numerous to count. Years and years of testing, experiments, failures and successes have gone in to perfecting the GPS device that you use now for your fleet vehicles, your running watch and even your phone. GPS devices allow users to save time and money on travel and fuel, identify accurate directions and object locations and even record user speeds. GPS users rely on their units to complete work tasks or get them safely to a vacation spot.

However, in the 30 plus years that GPS technology has been utilized – making actual decisions for a user is something GPS technology cannot do (yet).

Case in point:

Three tourists in Austrailia were using a GPS navigation device to get to a vacation spot. From within their car they listened to the voice on their device give them accurate turn by turn directions. The GPS device, seemingly gave accurate directions for the group to their destination. However, as they made their final right hand turn they plunged 8 feet into mud and water.

Did the GPS device fail? Where the three tourists directed to the wrong destination? No. The GPS device in their rental car delivered them accurate to North Stradbroke Island, a vacation spot a few miles off the coast.

The moral of the story? GPS is a fantastic tool that most of us cannot live without, but don’t forget to use logic when driving. An island…is still an island.

I’ve Fallen…

We often talk about safety in terms of vehicle and driver safety, but what about individual employee safety? What about the employee who is NOT associated with a vehicle?

American Water in Atlanta has answered that question with their ‘lone worker’ GPS program. American Water, the largest publicly traded U.S. water and wastewater utility company, is implementing a GPS program for all workers as a means to allow a simple two way connection between them and the home office. The workers will wear a personal GPS device that looks similar to an ID badge.

The device allows the worker to record any problems, send an alert and provide specific GPS location in the event that help is needed. Also included in the program is a ‘man down’ set up, used when the worker either falls down or is immobilized.

“Adding (it) to our existing risk management assets helps safeguard our hard-working staff,” said Nicholas Santillo Jr., Senior Manager, Operations Security for American Water.

Vehicles or Video Games

Somewhere along the way it seems vehicle designers mingled with software designers at an after-work party and started sharing ideas. Video game simulators are becoming more lifelike and every year the new car and truck models are adding more and more gadgets to the dashboard. As vehicles become more interactive, the call for stricter safety laws is getting louder. Putting restrictions on what drivers can and can’t do while driving is at the top of many states’ Department of Transportation’s agenda.

Tax Payer Savings

The benefits and cost savings of implementing GPS technology is now filtering down to individual tax payers. Not Every Record is Meant to be Broken

The oil and gasoline industry set a record last year and it's not the kind of record you want to write stories about. Last year the average price for a gallon of unleaded fuel was $3.51 - more then $.70 over the average from 2010. Things aren't looking bright for 2012 either.

Analysts are expecting another record breaking year. As a business that relies on fuel, the price of gas is something we need to pay close attention to. Unless you have an oil well pumping crude in your backyard, there's not much that can be done to save money.

Mark Bowen, assistant team manager for the Queens Park Rangers futbol team, now has all his players wear GPS fitted vests under their uniforms. The GPS units monitor the players’ speed, location, and heart rate - similar to how a fleet manager tracks the details of his/ her vehicles.
“It’s all about looking for that tiny edge over your opponent,” Bowen said, “trying to improve a player by that one per cent.”

Priya Narasimhan, an engineering professor at Carnegie Mellon University, is working to ensure football action in the U.S. is advancing as well. Her team of engineers has developed a GPS chip that attaches to the football, or a players gloves or knee pads.
"You'd never want to replace the human referees,” she said. "But…if you had a supplementary system that said, this is exactly where the ball landed and where the player stopped with it, you could make these kinds of calls accurately."

Ryan Hall, the U.S. Half Marathon record holder, uses a GPS watch to track all of his training data safely for each of his runs.

Whether you’re Ryan Hall or behind the wheel of a fleet vehicle safety is an important aspect for everyone. Ryan Hall likes his GPS watch “because it records my splits for me without having to hit a button and lets me know if I’m on target for my next mile”.

The common theme between these examples, as well as between sports and business, is not only the safe recording and analysis of data. What really separates these athletic examples from their competition is how they each are making positive changes for success from the data they received.

Winterizing Your Fleet: Are You Prepared?

Colder months are fast approaching, and we are trading our T-shirts and shorts for long-johns and parkas. Remember that, along with ourselves, our vehicles withstand this frigid weather as well. And if you are not careful, your car can take a physical and financial beating.

The chill in the air can affect everything from tire pressure to fuel. Certain precautions can be taken during this time of year. Here is a simple checklist for “winterizing” your vehicles:

• Make sure your tires are properly inflated.
• Never mix radial tires with other tire types.
• Keep your gas tank at least half full to avoid gas line freeze-up.
• If possible, avoid using your parking brake in cold, rainy and snowy weather.
• Do not use cruise control when driving on any slippery surface (wet roads, ice, sand, etc.)

Cracking Down on Unauthorized Use of Vehicles

What’s with that piece of aluminum foil over the vehicle's antenna?

That’s weird, but it must be what kids are doing these days.

Why are some of these trackers unplugged?

My drivers know that these are to stay plugged in and connected to the network at all times. Why are some GPS trackers “working” better than others? I check the hardware and software; there shouldn’t be any problems.

Why am I getting a scrambled signal? Are they trying to jam to GPS tracker?

Have you ever considered that your employees could be tampering with your systems? These are strong accusations, and this probably won’t apply to a lot of employees. However, can you afford NOT knowing what is happening around you?

What can you do if it is happening to you? Do you know how much money or fuel you could be losing out on because of dishonest employees?

It is an increasing problem with fleet managers, and it isn’t getting any better. But with these tips, you should be able to figure out what’s really going on.

• Hide an extra device in the vehicle. If the device the driver knows about "doesn't work" and the hidden device does, you have a pretty good idea that something is going on.
• If things just don't seem to add up write down and match odometer readings to mileage reported by the tracker. This will help you figure out whether the device is being turned off or otherwise disabled.
• Drive the same route yourself with the same device. See if there are reporting gaps due to lack of coverage, canyons, mountains, or other obstructions.

Avoid Fleet Management Horror Stories with GPS Tracking

With Halloween upon us, we thought we would share some horror stories three FoxTrax GPS customers have experienced. The catch is that these stories would have been more frightening than watching The Exorcist during a thunderstorm had these folks not implemented GPS tracking systems on their fleets’ vehicles.

Instead, FoxTrax GPS Tracking Systems helped these customers mitigate an otherwise nightmare situation.

A customer in Kansas City noticed something strange on his computer’s GPS system when a truck that wasn’t scheduled to be driven that day started slowly moving down the road. The customer immediately called the police and a few minutes later noticed the truck dramatically increase its speed to the triple digits. After a few more minutes, the truck slowed to zero -- because it had crashed. Fortunately, the customer recovered the tools in the truck, and police were able to apprehend the truck thief. One customer in St. Louis equipped his fleet of trucks with new GPS systems on a Sunday, then left town that Monday. When he returned on Tuesday and checked the GPS report, the customer noticed that his drivers had all stopped working at 3:30 – even though they had all punched out at 5 p.m. for that day. The customer even noticed that one of his drivers had taken a 45-minute detour to a North St. Louis watering hole after calling it a day at 3:30. One customer’s truck was stolen on a weekend. Because that customer had set up a geofence around his parking lot (a useful tool for nights, weekends and other times when none of your vehicles are scheduled to be driven), he received a text message alert when the vehicle left the premises. When police tracked the vehicle down, they found the truck on blocks and ready to have its wheels stolen. It was recovered without any loss of property.
