I am a CA girl, planned a wedding in CO with a family in KS…while unexpectedly moving and finding a new job. Taylor not only researched venues, she toured with us at each of them, went and took pics, measurements, looked up info. Taylor was available to discuss details at all hours, always had ideas and suggestions, and put up with everything i could throw at her. I don’t know how (or why) anyone plans a wedding, let alone a destination, without these superstars. The FPW team is amazing. I thought that movies exaggerated their roles…I was wrong. Both are world class resorts, but make no mistake, they are far from the same. In order to make this decision, first ask yourself what you are looking for in a location. Do you want entertainment for your guests? Do you value intimacy? Does the level of luxury play a big role? Consider the strengths of each resort before coming to a conclusion.

The biggest difference between Vail and Beaver Creek is the size. Beaver Creek is a quaint, family-oriented resort. It prides itself on its attention to detail and goes out of its way to pamper guests. An example of a nuance you will not receive at Vail is the chefs who serve warm cookies on silver platters to hungry skiers every day at 3:00. This is just one instance of BC’s commitment to a family-friendly environment. In terms of luxury, Beaver Creek is the obvious choice. Because it is a smaller resort, the attention to detail is unparalleled. If you anticipate that guests will crave an intimate atmosphere with kid-friendly amenities, BC is your destination.

On the other hand, Vail has just as much to offer, in a slightly different setting. Vail is perfect for a younger couple who might have guests without kids. The nightlife is notorious for being the best in the state (in terms of mountain towns). With hotels tucked next to shops, bars, and world-class restaurants, Vail offers a plethora of activities to suit all guests. If the mountain is a factor, then it is important to consider how much more terrain exists at Vail rather than Beaver Creek. For a well-rounded mountain experience, Vail is a fantastic choice.

Factoring in these differences between towns will hopefully help the decision-making process even easier. But with a choice between two of the most sought-after destinations in the world, you cannot go wrong!

For those who are unfamiliar with the differences between a venue coordinator and a wedding planner, it’s important to recognize that they are two different positions each serving their own purpose in the bride and groom’s wedding preparations.

Remember JLo’s famous role in The Wedding Planner where she planned every intricate detail leading up to the wedding day? This person guides the couple through the planning process, from setting a budget to keeping Aunt Sue away from crazy Uncle Ned. The wedding planner will also answer the couple’s questions, assist with contracts and vendor negotiations, help with event design and create a detailed timeline of the wedding day events.

If the wedding planner does all of this, what is left for the venue coordinator to do? The venue coordinator ensures everything taking place at the venue is in order.  The venue coordinator usually enjoys organizing weddings, but does not have the responsibility of handling all matters for bride and groom. This person will handle the set-up of all tables and chairs, manage the food and beverage provided by the venue, coordinate placement of wedding items with the wedding planner, handle venue parking logistics and manage the venue staff.

How can the wedding planner and venue coordinator work together effectively? As someone who has worked as a wedding planner and as a venue coordinator, I completely understand how it may be hard for either professional to relinquish their own duties to the other.

Here are a few tips on how to keep this business relationship professional and enjoyable for current and future events:

  • From the beginning, establish an open line of communication. Allow one another to speak and to be heard. It will be much easier to cooperate when each side is allowed time to express their needs and expectations.
  • Create a plan and stick to it. Write down a list of items that each person is responsible for. Clearly identifying one another’s tasks will make life much easier in the months of planning ahead. Remember, it’s not about you. The couple has hired the wedding planner and venue coordinator to make this process easier, not harder.

Here we are almost 3 years later and we still stay in touch!  She’s been a guest in my home and met my family and now I’d like to introduce to the world, their baby girl!
