			<content:encoded><![CDATA[<p>I can! When I first started operating Halo Secretarial, I realized how critical a proper backup system was going to be. I owned an external hard drive and was in the habit of using it semi-regularly to backup important information, but found it to be a time consuming process and was worried it wasn&#8217;t reliable enough by itself.</p>
<p>A lot of research led me to believe that my best choice would be a backup and syncing setup, as I have two computers and wanted access to files on both computers from anywhere, plus I wanted to protect my data in case of computer failure or natural disaster.</p>
<p>Now, I&#8217;m sure if I do experience a computer failure or my house is struck by natural disaster I&#8217;m going to appreciate my system, but even if such things should never happen (fingers crossed!) I&#8217;ve gotten a great deal of use out of my system. I&#8217;ve traveled with only one computer and needed to access files on my other computer so that I could quickly assist one of my lawyers and easily been able to do so.  I&#8217;ve been out running errands and quickly looked up a file from my mobile phone&#8217;s web browser, as my chosen application offers mobile access. It&#8217;s really reassuring to have this setup, especially when it comes to my business data.</p>
<p>And now I&#8217;ve actually realized another way such a system can be utilized. I have clients who are not particularly comfortable with LogMeIn or similar setups. There are benefits to such systems obviously, but especially to clients new to virtual partnerships, they may be hard to accept at first. I can tell my clients about my setup though and they can choose to share documents via a similar application (at least I know with my provider this is possible!) I had a situation recently where I needed a document from a client and if said client had been able to access his files from his phone&#8217;s browser he could have quickly emailed them  to me. Instead, we had to wait to finish a project until he was in his office to access the files.</p>
<p>So, can you access your documents from anywhere so easily? If so, what service do you use? I use <a href="http://sugarsync.com" onclick="javascript:pageTracker._trackPageview('/outbound/article/sugarsync.com');">SugarSync</a> and totally recommend them, for what it&#8217;s worth (not a paid endorsement by the way, just true love of the product!) They offer fair pricing, SSL encryption which is very important especially when dealing with legal file materials, and work with both PCs and Macs. 			<content:encoded><![CDATA[<p>There are so many things to learn when you are starting a new business, and there are some things I really wish I had known when I started my virtual legal assistant business!</p>
<p>Whether you aspire to be a virtual assistant or you or thinking about working with a virtual assistant, I thought I&#8217;d share some quick tips I&#8217;ve learned and would have benefited from implementing sooner:</p>
<ol>
<li>Be clear from the beginning on your preferred method and hours of contact (applies to both client <span style="text-decoration: underline;">and </span>VA).</li>
<li>Discuss the &#8220;finicky&#8221; things right off the bat: font type, font size, paragraph justification, etc. &#8211; they might seem like small things but getting them right early can ease your working relationship.</li>
<li>If you have a concern over anything, do not wait to mention it to the other party. Sooner said, sooner fixed; don&#8217;t hope it will just magically resolve itself!</li>
<li>Be very, very clear about deadlines.</li>
<li>Read every email or communique from your client CAREFULLY. Check for attachments immediately, even if you don&#8217;t need to do the work right away.</li>
<li>Spend a few minutes each week, for each client, thinking of ways you can improve the service you provide or find new items you can assist with.</li>
</ol>
<p>I can tell you, from experience, that it is hard to make mistakes and feel for even a moment that you may have let your client down or let yourself down. But we are all human and we are bound to have moments of imperfection. Be honest with your client if you feel you should have done something better. Offer a discount or some other small token if necessary. Thank your clients for being understanding and remember when they have issues crop up that they are just like you and don&#8217;t take criticism personally. Just do better the next time!</p>

			<content:encoded><![CDATA[<p>I have had plenty of experience with transcribing documents, especially prior to starting my virtual legal assistant business, when I worked in a number of law offices. Dictation was standard for the majority of lawyers I worked with, as it was accepted that it was a more valuable use of time for the lawyer to quickly speak their instructions than to type their own materials up.</p>
<p>In my very last law office, I noticed a trend toward lawyers who didn&#8217;t know how to use dictation machines or who didn&#8217;t feel they provided much value. These lawyers often simply sent instructions by email or typed up the body of work they needed done and had their assistant simply format it properly. It was a very busy office and I think the lawyers felt more comfortable as the emails were easy to identify and re-send if their assistant was unavailable and another assistant had to take over the task. Pretty common sadly in a place where there were usually 3 or 4 lawyers to each assistant.</p>
<p>Recently though, I&#8217;ve discovered the wonderful combined benefits for digital transcription. I had never worked in an office that used anything other than old-fashioned micro-cassettes for dictation. And up until now, the majority of my clients have communicated with me via email and my online work space, always with written instructions, rather than oral. Digital dictation is an incredible improvement over cassettes! I should have known, since <a href="http://www.legaltypist.com/who-we-are/" onclick="javascript:pageTracker._trackPageview('/outbound/article/www.legaltypist.com');">Andrea Cannavina of LegalTypist</a> uses it almost exclusively in her virtual legal assistant business and she knows what she&#8217;s talking about!</p>
<p>Thanks to a new client though, I&#8217;ve recently begun to  work with the <a href="http://www.nch.com.au/scribe/" onclick="javascript:pageTracker._trackPageview('/outbound/article/www.nch.com.au');">digital transcription software from Express Scribe</a> and it is so easy to use! My client just provides me the dictation (via email or upload to my secure workspace) and I&#8217;m ready to go. Each email is clearly labeled with pertinent info and it&#8217;s very quick for the lawyer &#8211; for example, I did an Affidavit for a client yesterday. It took him just over 3 minutes to dictate everything he needed to.  Then I transcribed the body of the document and properly set it up according to required format. The lawyer can say &#8220;put a backer on that&#8221; and it takes a few seconds, but it would take much longer for him to set up said backer himself, much easier to have me do that and free up his time for more directly client-related responsibilities.</p>
<p>Why is it faster to dictate than to type? Well, for starters the average &#8220;speaking&#8221; words per minute rate is 120-150 words per minute. For most people, that means they speak much faster than they could type. And of course as I mentioned earlier, you may be able to speak an instruction, but the work involved in performing the task can take much longer. If you dictate &#8220;please proofread entire document &#8211; all 70 pages&#8221; that won&#8217;t take long, but actually proofreading may take a fair bit of time. It&#8217;s probably a good idea to truly <a href="http://www.typingtest.com/" onclick="javascript:pageTracker._trackPageview('/outbound/article/www.typingtest.com');">evaluate your typing speed</a>, versus the speed an assistant may have, to determine who should be typing up your documents and correspondence.</p>
<p>An additional benefit of dictating, is that a lawyer can dictate from anywhere, regardless of if they have access to their computer or the internet. You can dictate while commuting to work, from your home office or from your vacation if needed (not recommended though!)</p>

Currently I have an intentionally <a href="http://halosecretarialservices.com/contact-halo/" >vague listing on my website for my availability</a>, but I encourage clients and potential clients alike to contact me by phone.</p>
<p>A year in business has taught me a lot though, and I think it&#8217;s time to put a small clarification in place. I am still going to be easily available by email and I will still work somewhat irregular hours, but as far as phone calls go I will only be available from 9am to 3pm MST. I also prefer to arrange telephone calls in advance (via email) whenever possible, otherwise calls may go straight to my voicemail and be returned within one business day.</p>
<p>If you are just starting out with a home-based business, whether you are a a virtual legal assistant like me, a lawyer, or any other small business owner, I highly recommend you think carefully about what hours you will make yourself available to clients. It&#8217;s easier to start out with a clear policy than to change in mid-stream! And whether you have children or not, phone calls can be very distracting and take away from your focus on your current and much-valued clients.</p>

			<content:encoded><![CDATA[<p>I read a great article thanks to a tweet by <a href="http://twitter.com/lisasolomon" onclick="javascript:pageTracker._trackPageview('/outbound/article/twitter.com');">@lisasolomon</a> today about a law office where <a href="http://www.law.com/jsp/law/careercenter/lawArticleCareerCenter.jsp?id=1202433881469&amp;rss=newswire" onclick="javascript:pageTracker._trackPageview('/outbound/article/www.law.com');">parents can bring their babies to work with them</a> &#8211; not just occasionally either!! Now that&#8217;s work-life balance for sure.</p>
<p>I&#8217;ve heard of some pretty wonderful sounding law offices ever since I started my virtual legal assistant business and had my eyes opened to alternative ways of doing things within the legal profession, but I think this is definitely near the top of the list in my opinion. It&#8217;s a small change, and yet it is HUGE for people who want that elusive &#8220;all&#8221; that we hope is out there somewhere. I think I especially liked that the initiative applies to lawyers and staff, as long as they don&#8217;t abuse the process!</p>
<p>I would have been shocked had any of the traditional firms I worked in ever offered a person to bring in their infant on a regular basis. Admittedly, since I&#8217;m from Canada many people were able to take a fair bit of time off after having a child without losing their job. Still, I actually think some people would have happily returned to work more quickly given the option to bring baby along. Our maternity is usually only partially paid and some people would love to keep a full paycheque without having to put a young child into full-time childcare. Actually, most of my places of employment frowned strongly on bringing children almost anytime, despite official initiatives like &#8220;bring your child to work day&#8221; or the like.</p>
<p>Fortunately for me, being self-employed allows me that elusive &#8220;all&#8221; that I had hoped for once I had my children. I can get my boys off the bus and then get right back to business while they enjoy an afterschool snack. I can fit document drafting around naptimes and usually still have time for a quick park break in the late afternoons. The occasional (okay, more than occasional!) late nights are well worth feeling like I usually have time for my clients and my children.</p>

			<content:encoded><![CDATA[<p>This is officially my last post as part of the <a href="http://lawhumorist.blogspot.com/2009/08/blawger-survivor-outpost-outread.html" onclick="javascript:pageTracker._trackPageview('/outbound/article/lawhumorist.blogspot.com');">Blawger Survivor challenge</a> and I am so excited to have been able to get a post in every single weekday the last three weeks. Sure, half of them came in a mere hour or less before the day&#8217;s deadline, but evenings are my quiet work time, so that just was convenient!</p>

<p>The challenge I think really did get me in the habit of blogging daily and I hope I can stick with it into the fall. Setting aside specific time probably is the solution, although in all honesty I just fit it in wherever worked (as mentioned, usually last thing before shutting down my computer at night!)</p>

			<content:encoded><![CDATA[<p>I love summer, but I have to tell you how glad I am that the school vacation part of it is almost over! Besides, fall colors are so pretty, it&#8217;s a great season to look forward to. This summer, my multi-tasking abilities were definitely put to the test and my biggest tip for getting everything done:  <strong>time blocking</strong>.</p>

<p>That&#8217;s because while I say I &#8220;multi-task&#8221;, there are times when too many things going on at once just means you do everything poorly. So I may multi-task when I get a sandwich for the 7 year old, while starting dishes and listening to a story from the 4 year old, I don&#8217;t think multi-tasking while actually doing client work is effective.</p>
<p>There are multiple ways to use time-blocking in your work, whether your are a virtual assistant, a lawyer or even a student. I like the suggestions over at <a href="http://crollorganizing.com/Blog/TimeBlockingForProductivity" onclick="javascript:pageTracker._trackPageview('/outbound/article/crollorganizing.com');">Croll Organizing</a>, because it is similar to how I manage my day.  Meredith of Yellow Highlighter VA <a href="http://yellowhighlighterva.com/2009/08/20/virtual-assistants-increase-your-productivity-with-time-blocking/" onclick="javascript:pageTracker._trackPageview('/outbound/article/yellowhighlighterva.com');">has a good method as well</a>.</p>
<p>I personally spend time on my email first thing in the am, then I pick a project and spend dedicated time on it. Then I take a Twitter break, then another work project, etc. Of course I also block in time for fun with the kids &#8211; today we walked to the park!</p>
<p>I like to use the timer on my stove for measuring time blocks, the kids then know when the buzzer sounds that it is the end of work time for that block and they can have my attention. Doesn&#8217;t help much with the toddler yet &#8211; but at least the older two get it!</p>

			<content:encoded><![CDATA[<p>I readily admit that one of the driving factors behind my having started my virtual legal assistant business is to be more available to my children. And especially in this first year of business, I&#8217;m growing slowly enough not to have needed much in the way of childcare, and yet I can still meet my clients&#8217; needs. I love how the internet can help me do this!!</p>
<p>As I get busier and busier though, I am faced with the types of concerns that plague work from home parents everywhere. How do I manage things like phone calls when I have a toddler underfoot? I&#8217;m lucky in that my older two kids will be in school shortly and that gives me 2 days a week where it&#8217;s only the toddler at home with me. I&#8217;ve even, finally, begun the process of finding some childcare for him, but full-time care isn&#8217;t really in my plans right now and that means there are going to be times when I must either find a way to keep him busy while on the phone with a client or during an interview, or risk looking very unprofessional.</p>
<p>Thankfully the same beautiful internet that offers me so many opportunities and so much information doesn&#8217;t come up short with suggestions for how to work around this problem. 			<content:encoded><![CDATA[<p>I&#8217;ve been thinking about becoming part of a Mastermind group or mentor/mentee relationship for some time now, and last night (when I should have been sleeping!) I read a great post from the <a href="http://buildasolopractice.solopracticeuniversity.com/2009/08/24/why-every-solo-needs-a-mastermind-group/" onclick="javascript:pageTracker._trackPageview('/outbound/article/buildasolopractice.solopracticeuniversity.com');">Build a Solo Practice Blog </a>over at Solo Practice University about why solo practitioners <em>need </em>a mastermind group. Whether you are a lawyer, a virtual assistant or any other kind of business owner, there are good options available for you. For example, if you are a virtual assistant there is a colleague I really respect, Alyssa Gregory, who has just started an intriguing looking program at <a href="http://virtualassistanthub.com/" onclick="javascript:pageTracker._trackPageview('/outbound/article/virtualassistanthub.com');">VAHub</a>, called the <a href="http://virtualassistanthub.com/virtual-assistant-services/virtual-assistant-training.html" onclick="javascript:pageTracker._trackPageview('/outbound/article/virtualassistanthub.com');">VAHub Club</a>. Definitely worth looking into, especially if you are a new or aspiring VA!</p>
<p>I&#8217;ve personally looked at a variety of options for a mastermind group, ideally with other virtual legal assistants. There are some paid options, but my personal preference is for a small group with no fee, where everyone in the group would be treated as equals, although some members are likely to be more experienced than others.  I think a better group dynamic will be achieved without paying a fee. But I could be wrong and some people may not take it seriously without paying. Any thoughts from my wonderful readers on this topic?</p>
<p>I am definitely going to include this in my development plan &#8211; to help grow Halo Secretarial into my vision of what a virtual legal assistant business can be, a mastermind group surely can only help!
