<p><span style="font-size: small;"><span style="font-family: Times New Roman;">The 2010 HHS Annual Conference Business Meeting came to order at 5:00 p.m. on June 19, 2010 at the Cacapon State Park in Berkeley Springs, WV.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;"><span style="text-decoration: underline;">Officers present were</span>:  Joe Hinchman, President; Paula Hinchman Willis, Secretary; and Ron Tebben, Treasurer.  Vice President, Margie Hinchman was absent.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;"><span style="text-decoration: underline;">Others present were</span>:  Byron and Pam Hinchman Skinner; Norman and Nedra Hinchman; Mary Hinchman; Kevin Hinchman; Marlon Willis; Tom and Joan Hinchman Gibson; Tony and Linda Haberkorn; Don and Wilma Hinchman; Sharon Hinchman Tebben; Esther Hinchman; Judy Hinchman Brammer; Walter Hinchman; Terry and Tony Burns.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">The business meeting opened with a brief history of the HHS.  The HHS&#8217; first meeting was held in 1993 in Lewisburg, WV.  Esther Hinchman is the only member since the inception of the HHS who has missed no meetings.  </span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">The Secretary&#8217;s report for the 2009 meeting was read.  Ron Tebben motioned to accept the minutes, as prepared.  Esther Hinchman seconded the motion.  The report was unanimously accepted.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">The Treasurer&#8217;s report was presented by Ron Tebben.  Tebben reported that the HHS net worth was approximately $18,704.  Paula Willis motioned to accept the minutes, as prepared.  Joe Hinchman seconded the motion.  The report was unanimously accepted.  During the Treasurer&#8217;s report, discussion regarding the tax exempt status was held.  The HHS is exempt from WV state and federal taxes.   As most of the expenses (e.g., newsletter) (with the exception of expenses incurred in the venue of the annual HHS meeting) are incurred in the Commonwealth of Kentucky, it was suggested that an investigation be conducted to determine whether it would be advantageous for the HHS be also exempt from Kentucky taxes.  Paula Willis volunteered to conduct a preliminary investigation and report the findings to the President for incorporation in the newsletter.  Don Hinchman motioned that a preliminary investigation to determine if the HHS can also be exempt from KY states be completed.  Norman Hinchman seconded the motion.  Motion carried.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">Sharon Tebben provided a report on the Hinchman gravesite (the William Hinchman stone).  As the stone has eroded, Sharon reported that a granite marker (24&#8243; long, 12&#8243; wide, 4&#8243; thick) in the amount of $318 (which includes taxes) be purchased.  Mary Hinchman motioned that the granite marker be purchased.  Terry Burns seconded the motion.  Motion carried.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">Due to health reasons, Vice President Margie Hinchman was again unable to attend this meeting.  Discussion was held.  Marlon Willis motioned that Margie Hinchman be allowed to continue her position as Vice President but to let her voluntarily resign.  Wilma Hinchman seconded the motion.  Motion carried.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">Ron Tebben conducted discussion on current HHS membership.  In addition to those who attend the HHS meetings, there are members who are unable to attend.  Those attending the 2010 HHS Conference are as follows:  Florida:  Norman and Nedra Hinchman, Halie Hinchman, Kelly Hinchman, Stefan Hinchman, Emilie Hinchman.  Indiana:  Tony and Terry Hinchman Burns.  Kentucky:  Joe and Mary Hinchman, Kevin Hinchman, Marlon and Paula Hinchman Willis.  Ohio:  Tom and Joan Gibson, Tony and Linda Haberkorn, Don and Wilma Hinchman.  Pennsylvannia:  Dan and Cheri Hinchman Widzowski, Sophia Widzowski, Stephanie Widzowski.  Virginia:  James and Connie Savage. West Virginia:  Matt, Elizabeth and Oscar Hokom, Ron and Sharon Hinchman Tebben, Esther Hinchman, Judy Bramer.  Arizona:  Walter Hinchman. Arkansas:  Pam and Byron Skinner.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">Mary Hinchman provided an update on the DNA project.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">Ken Hinchman initially agreed in 2009 to host the 2011 HHS Conference in Michigan.  As Ken Hinchman was not present at the 2010 meeting nor provided an update for the 2011 meeting, Mary Hinchman suggested, and motioned, that the 2011 conference be changed.  Marlon Willis seconded the motion.  Motion carried.  Discussion was held.  Paula Hinchman Willis volunteered to host the 2011 HHS meeting in Ashland, KY (June 17-18, 2011).   Ron Tebben motioned that the 2011 conference be held in Ashland, KY.  Marlon Willis seconded the motion.  Motion carried.   Terry Hinchman Burns volunteered to host the 2012 HHS meeting in Jeffersonville, IN (June 15-15, 2012).  Ron Tebben motioned that the 2012 conference be held in Jeffersonville, IN.  Pam Hinchman Skinner seconded the motion.  Motion carried.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">Prior to the closure of the meeting, Ron Tebben was acknowledged for his participation and awards for the National and two World Judo competitions in 2009.</span></span></p>

<p><span style="font-family: Calibri;">The 2011 HHS Annual Conference Business Meeting came to order at 5:15 p.m. on June 18, 2011 at the Ashland Plaza Hotel in Ashland, KY.  The President acknowledged a new attendee, Pam and Byron Skinner’s granddaughter, Kylie.  At the Friday night dinner at the Texas Roadhouse, another new attendee, Debbie Hinchman (daughter of Don Hinchman) attended.</span></p>

<p><span style="font-family: Calibri;">The Secretary summarized minutes from the 2010 meeting, which minutes were distributed at this meeting for reading.  Several corrections were noted, voted, and accepted.</span></p>
<p><span style="font-family: Calibri;"> </span></p>
<p><span style="font-family: Calibri;">The Treasurer submitted a report of the activity since last year’s meeting.  The 2010 auction generated $423 and expenses for the past year included the 2011 banquet, newsletter preparation and mailing, and the William and Elizabeth Hinchman gravesite monument.  The net worth, prior to the 2011 conference expenses, was $20,014.64.  The report was voted and accepted.</span></p>

<p><span style="font-family: Calibri;"><span style="text-decoration: underline;">Old Business</span>.</span></p>

<p><span style="font-family: Calibri;">Paula Willis reported that the corporate status of HHS was deemed to be in good standing and that a Kentucky sales exemption was obtained for the 2011 conference as well as newsletter expenses.</span></p>

<li><span style="font-family: Calibri;">Mary Hinchman distributed copies of the Hinchman Heritage Society and Library Constitution.  In light of the document, discussion was ensued regarding campaign to attract former and new members.  Sharon Tebben suggested sending personal letters to former attendees.  The suggestion was voted and accepted.  Sharon will send personal letters to former attendees hoping to inspire members to participate.  Wilma Hinchman suggested possible television and/or radio time realizing that this could be costly.  Another membership suggestion was to conduct a drawing for $250 to be awarded to a new member.  The suggestion was voted and accepted.  Joe Hinchman suggested that the annual membership dues be forfeited for one year.  The suggestion was modified to provide free lifetime membership for members 90 years and old.  The suggestion was voted and accepted.  Another source of HHS dissemination is developing a HHS Face Book site.  Voted and accepted.  Paula Willis and Kevin Hinchman to develop.</span></li>

<li><span style="font-family: Calibri;">As a continuation of the future of the HHS, it was suggested by Nedra Hinchman that family members to Hinchman spouses be included in the HHS site and other related media.  Enhancing the information could generate additional interest and membership.  Kevin Hinchman, the HHS site administrator, provided some insight of the site, tracking, and ways to search information.</span></li>

<li><span style="font-family: Calibri;">A brief discussion regarding the June 15-16, 2012 HHS meeting (hosted by Tony and Terry Burns) in Jeffersonville, IN was held.  Tony and Terry referenced several Louisville area events which occur during this time and other local attractions.   For the 2013 meeting, it was suggested that President Joe Hinchman contact Linda and Tony Haberkorn about hosting it in the Cleveland, OH area.</span></li>

<p><span style="font-family: Times New Roman; font-size: small;">One of my favorite parts of genealogy has been “cemetery stomping”, as I like to call it.  I visit local cemeteries, record the information on the headstones and take pictures.  Then I upload that information to Find-A-Grave (“FAG”).  FAG (</span><a title="http://www.findagrave.com/" href="http://www.findagrave.com/"><span style="color: #0000ff; font-family: Times New Roman; font-size: small;">www.findagrave.com</span></a><span style="font-size: small;"><span style="font-family: Times New Roman;">) is a free site in which they are trying to record for posterity all the information found on the headstones in cemeteries.  I’m sure if you’ve ever visited an old cemetery you’ve noticed the state of the headstones and how rapidly they are deteriorating.  I think that’s one of the main reasons I’m drawn to FAG:  it’s the volunteers’ mission to document as many cemeteries as we possibly can.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-size: small;"><span style="font-family: Times New Roman;">If you’ve ever wanted to see your ancestor’s grave but it’s in another state, you have the ability through the volunteer network.  Once you have registered with FAG (it’s free), you can request a photo of a headstone.  A volunteer in the area will photograph the headstone and notify you when they have the picture.  Granted, you may have to wait for a volunteer to be in the area, but it’s worth the wait.  I’ve personally uploaded over four thousand pictures and memorials now.  A great way to repay this genealogical act of kindness is to volunteer in your area.</span></span></p>
<p><span style="font-family: Times New Roman; font-size: small;"> </span></p>
<p><span style="font-family: Times New Roman; font-size: small;">Another neat thing about FAG is that you can add obituaries, family history and personal family photos as “memorials”.  FAG also has the ability to “link” family members.  When families are scattered across many states, it’s nice to be able to keep track of the family members in other cemeteries and states.  Most recently I have been working on the Hinchman family and linking everyone who is related.  I’ve documented most of the Hinchman graves in Rush County and am moving on to Hancock County, Iowa and even Kansas, trying to find all the siblings and linking them together.  Here’s an example of Sanford Hinchman’s memorial page to give you an idea of the capabilities:  </span><a title="http://www.findagrave.com/cgi-bin/fg.cgi?page=gr&amp;GRid=39259437" href="http://www.findagrave.com/cgi-bin/fg.cgi?page=gr&amp;GRid=39259437"><span style="color: #0000ff; font-family: Times New Roman; font-size: small;">http://www.findagrave.com/cgi-bin/fg.cgi?page=gr&amp;GRid=39259437</span></a></p>
