Performance management, the process by which a company evaluates an employee’s effectiveness, is an important topic as the workforce struggles to meet the current economic conditions. Keeping good people and providing measurable results helps companies to maintain productivity.

At the very least, employees should receive an annual review with feedback on the entire year’s performance. Even better, they should receive annual reviews with several check-in sessions throughout the year. When performance management is rushed, it results in little useful feedback to the employee and benefits neither employer or employee.

Companies can update their performance processes in many ways. An outside perspective can help in creating and maintaining accountability.

Identify Measures

Identifying what performance to measure is key. Some companies rely on “gut feel” to decide if someone is performing well. Create goals with the employee that achieve two things:

Make the employee more valuable to the company

Have a measurable impact on the company

Get Commitment

Discuss the goals with the employee and get a commitment to them. Too often the goals come across as “what the manager wants you to do.” If the employee believes in and understands the goals, then he or she is more motivated to meet them.

Have goal-setting meetings with the employee. Look at the company and department goals and the role the employee currently plays, and decide together where his skills could make the most impact.

Automate the Process

Many applications are available, including in the cloud, that allow you and the employee to document goals and track efforts. Managing individual goals is not unlike managing any project. Break up the goal into manageable pieces, set a timeframe and report progress against the pieces, which you and the employee can do online.

Streaming Feedback Instead of Point-to-Point

Using an online system also gives you the chance to have a continual dialog with the employee throughout the review period instead of having the occasional check-in. Measuring progress is easier with a continual feedback loop. Knowing when things go well, when there is an obstacle and when the employee is “stuck” and needs assistance is valuable information that meets goals and makes for a more productive review.

Self-Directed Feedback

Online systems readily engage the employee in his or her own performance management process. By tracking his or her progress in measurable terms, recording issues, listing resolutions and modifying the goals, the employee is put in charge of his or her performance.

Tying into social media and networking creates the opportunity to capture peer input, which is a valuable asset but rarely used for performance management. More fluid than spreadsheets and documents, these systems make it easy to maintain the information that will later feed into an employee review.

Improvements Benefit Everyone

Performance management engages management and employees to help track progress, identify issues and meet individual and shared goals. Companies such as Cornerstone OnDemand have a background in the tools and processes that work with performance management and can offer advice as to what would be effective in any environment.

The cornerstone that builds a business is based on a good communication strategy that you must employ as you reach out to all your clients worldwide. The way of communicating with them is much more important than how your services are being offered at a remote location. Of course, you can never be assured of quality communication service when connecting across the globe because of other unavoidable factors such as Internet connection and calamities. But even though there are situations when your clients cannot reach you or vice versa, it is necessary that the communication strategy that you use in your business needs is able to provide what clients need. A high quality communication strategy will ensure good relationship with your clients, thus, promoting long term productivity and business growth.

Good Communication Strategy Equals Great Service

Have you ever encountered instances when something you bought did not work as well as you thought it would? The first instinct is to complain about the product or have it returned or exchanged. But if the people you talk to cannot explain or help you understand what needs to be done, like in troubleshooting or product exchange policies, then you will feel deceived. In the same way, this also works for your business. A good communication strategy will let clients know that everything is being exhausted to assist them making them feel that they are receiving exactly what they have paid for and even more.

Using Technology in Strategic Communication

Since you are communicating with your clients at a remote location, you must take advantage of what technology has to offer like connecting through emails, Skype, online chat, and many more. The type of internet connection plays an important role in communications, so finding out what is a T1 line and how it can benefit your business could help develop a more efficient way of communicating. In addition to all these, you may also create simple ads to send to clients giving them the information they need. These ads will also help you build more interested clients. By providing visual communication on the Internet, your business can reach more people worldwide.

Tips on Improving Worldwide Business Communication Strategy

Businesses will surely keep you on your toes because of the changes that occur every once in a while. Keeping these tips in mind will help improve your communication strategy and give you the composure at all time no matter what problems may come your way. You can also ensure that the business communication is ongoing and aids to clients as often as possible.

Follow a schedule of the monitoring that you have in your business. If there are certain calls that need to be made, put similar concerns together to help you manage it easier. With this in mind, you should also try to keep your word by calling whenever you promise to do so. Putting aside a day to update a client regarding their concern will also give you the advantages by letting your client see how good your communication strategy works for your business.

Have a standardized checklist and information of your products. Since the concerns will be about the products and services you provide in your business, then you would already know what problems your clients might encounter. The checklist must contain all initial questions or information you need from your client upon receiving their call. These should be arranged to make it easy for you to find the right checklist and information whenever you need them.

A prepared script is also a communication strategy that is employed by hundreds of businesses and companies when greeting and speaking with clients. You can do this especially when there are several people speaking with clients to ensure consistency in how you deal with them. With this, the organizational communication is also well handled by giving every employee the ability to speak a similar language especially when dealing with clients.

For emails and letters, create a template of the communication that you send out to your clients. You may also want to make the most out of the technology by using auto-sending features that reply to clients letting them know that you are working on their concerns.

Newsletters and brochures that are sent out monthly, quarterly, or annually will make your clients updated at all times. With good communication strategy, they will want to avail of your products or services again in the future.

Clients worldwide will be impressed with how well your business can offer its services keeping them interested in all your future goals. By having good communication strategy, your business will be able to achieve what your clients expect of you resulting to a great business relationship. Most importantly, the communication strategy of your business will help you in the long run by providing you with the best marketing capability – the word of mouth.

Language bonds people together and with the help of one main definition of communication, all cultures, races, and languages will meet and be as one. With the many languages all over the world, our need to communicate to people wherever we may be is essential. The universal definition of communication will definitely assist us in ensuring a good relationship with people no matter what country or region they may be.

The definition of communication may be seen as a culture of people who relate to each other through various means. It may also be described as our means of keeping track of the events that occur in our immediate environment and in other places in the world. In the same way, the definition of communication may also be seen in the way we perceive each day of our life by means of our connection with people.

Why the Definition of Communication is Important

As human beings, it is nothing but natural to use our ability to speak and communicate to get by the challenges of everyday. Imagine how the world would be like without sound? It would be so ever dreadful not to be able to share your thoughts and ideas. No one would ever want to keep their reactions towards the current events occurring in the world all to themselves. If you are lost, how will you be able to find your way back without asking? These are merely simple day to day concerns of people that are easily resolved by the overall definition of communication, which is to relay information from one to the other.

The definition of communication gives us that natural power to be able to attain our goals and feed our curiosity – something that humans can enjoy all through their life. Since a person is born into the world, various aspects of communication have been used to send information to and from a person. The ability to connect is made evident for personal connections, organizational communication, and in random events. This may be felt and heard through spoken words, written symbols, and even, through facial expression and movement. Needless to say, language touches every single part of our being making it important to provide the definition of communication.

Biases of People in the Definition of Communication

The debate over the international language has grown over the years because of the differences and biases of people in the manner they perceive their own language as superior over the others. Of course, every person would wish that the language that they know, or languages, for that matter, would be superior over the others. However, the definition of communication is the same across regions because it is our main capacity to connect with people. Regardless of time, age, race, and language, we can still be able to communicate with people. This can be done through movement and facial expression. The simple gesture of greeting other people can be done with a nod or a smile. With this, the superiority of the human definition for language can go beyond the language that we can speak. Non verbal communication is a communication strategy that people utilize to connect with people that do not speak the same language as they do.

One Vital Communication Definition

Having a universal definition of communication is vital for people because it helps bring together our ideas and endeavors in life. It is a fact in life that language varies. The communication theory and the means of communication have also evolved and changed the way we see life and how we value it. Even though the means of communication changes over the years and across generations, it still serves the same purpose. But the definition of communication will forever remain the same – it is, by all means, one of the most necessary part of our life as it brings clarity and allows people to fulfill our needs as social beings.

The organizational communication facilitated in the office helps the employees in achieving their goals within a given period. In the same way, it is also needed for employees to know what is expected from them. The clear and well developed communication skills of the supervisor will definitely help in delivering messages. However, all these efforts will be put to waste if the right application of organizational communication is not determined and clarified.

Why is there a Need for Organizational Communication?

People may come to believe that the means of communication they have for their entire organization is enough and that the basic way of sending and receiving information would be enough. But, little do people know that without a well determined organizational communication, there will surely be conflicts of interests and received information. Although these situations are dreaded and avoided by many organizations, conflicts due to miscommunication are obvious and constant occurrences, regardless of the size and nature of the organization.

Organizational communication is needed in any group of individuals to ensure that the right information is delivered in the correct manner and in time. Imagine having to listen to three different people talk about one thing without discussing the limitations and expectations. This will certainly result to three different interpretations given to people, thus, creating conflict and confusion. In order to avoid all these, even in small companies and beginning enterprises, all sorts of organizations must be able to create an organizational communication plan that all members can refer to at all times.

Means of Communication in Organizations

Various means of organizational communication can be used in companies, businesses, corporations, and enterprises. These should be determined for the organization to define how it work and which would suit each type of information best. Because the world recognizes the contribution of technology in all industries nowadays, memorandums and other formal letters are being sent through the Internet. This is not just a time saver but also contributes to achieving a paperless organizational communication. Another means of organizational communication is through announcements from department heads or supervisors. With a specific person to say the information, it will be made very clear. Some organizations also ensure the communication is efficient through official announcements during an assembly or meeting. Of course, official letters being sent around for members of the organizations to read are also very popular in all industries.

Organizational Communication Planning and Facilitation

In terms of efficiency and clarity in the delivery of the information from and within the organization, the planning of the organizational communication must be prepared and emphasized. There should be a checklist of the usual information and letters that are being sent out to people in and outside the organization. In knowing these, particular means of communication can be assigned to each. An example of this is the use of formal letter and public announcement for changes in products or services being offered by the organization or salary concerns.

Another example for organizational communication planning is using email as a tool to send instructions to people especially for last minute changes in a project or activity. The person who will be in charge of creating the communication for each type of information must also be specified. It must be someone who has knowledge in business communication to ensure the capability to provide what the information to be communicated calls for like in written or spoken language.

With complete structure of the organizational communication plan, it can already be facilitated by letting the members know how it works. This will help these people determine who to go to in case they have questions and inquiries regarding a certain letter, information, or memorandum. In employing the communication theory and well planned organizational communication strategy, conflicts and confusion will never be a problem again.

Business communication is basically concerned with the exchange of information and ideas regarding the enterprise. It is always directed towards the overall development of the business. Efforts to make profits out of every opportunity available are also another goal of businesses, as well as, the ability to make every move cost efficient yet highly effective. Based on the facilities that we can take advantage of in this generation, it seems as if the technology is the most effective tools in business communication.

Business Communication & Technology

The 21st century is known for the advances in technology that we are able to enjoy today. It is hard to imagine going through our responsibilities from day to day without the assistance of the Internet. In the same way, completing our tasks at work will also be impossible without having a computer to work on. Business communication is also made easier with the help of technology because we are able to reach out to as many people, no matter where they are in the world, whenever we need to.

Business communication has also taken advantage of what the technology can offer by utilizing every means possible to connect with people across the globe. It would be effortless to contact and communicate with business partners internationally through calls or messages. We will never have to wait again for weeks or months before receiving a feedback or confirmation of acceptance because it can be received in an instant unlike old business communication means like mailed letters and forms. This makes all means of communicating around the world in the 21st century the most innovative in the history of business.

Effective Business Communication through Telecommunications

Direct communication with consumers and partners worldwide can be achieved simply with one call. With the decreased charges and clearer connections with people wherever they may be in the world, it is more convenient to make a call. We can also say that because of the convenience of carrying a mobile phone, we can all connect with people any time of day. Almost every single individual can contact other people and be reached by others through their mobile number which they carry along all day long. We will never have to worry about time differences or taking note of the office hours and availability of a person. Plenty of businesses also provide helpful services such as 24-hour support and toll free contact numbers to help consumers with their concerns. Mobile phones have truly changed the way business communication works in the world today.

Communication in the Workplace and the Internet

Due to the recent developments in the technology of the Internet, the World Wide Web has been made one the most important means of business communication. The Internet is not only used to contact people in other parts of the world because even facilities that provide interdepartmental communications need Internet connections. Electronic messages or e-mails are used to send information from one person to another, while chat messages may be sent for less formal and quick feedback and inquiries. All these are definitely helpful and efficient business communication strategies to utilize.

In addition to this, businesses may also take advantage of the World Wide Web as a cost efficient advertisement to reach out to prospective customers. Let us face it, people will definitely take advantage of the Internet and their home computer to learn about the products, services, and investments they are interested about. Keeping consumers interested through online advertisements are the cheapest and effective means of communicating with people. Business communication and the Internet are definitely an awesome pair that can never be separated in the 21st century.

Effective application of the communication theory is the necessary key in order to make all transactions and business connections successful. Commonly, problems may arise every now and then when the communication in the organization is not well transmitted. Some work places encounter communication barriers and problems because of a certain missing link. This can be caused by the person relaying the information or the person receiving the message. In these cases, facilities for development of the communication skills of those who are concerned must be provided. The communication theory suggests that business relations can only be made successful in the medium utilized is clearly understood by all parties concerned.

All industries and all types of professions use the power of communication. The delivery of all sorts of messages is covered by the communication theory regardless of the age, gender, race, or profession of a person, more so, in the business sector. Due to this, the communication strategy that one uses and the capability of an individual to relay sound and clear information are tested before one is accepted in the business sector. There are a few observable strategies and communication theories employed in the work place that aim to illustrate the importance of interpersonal relations at a professional level in the business sector.

Basic Communication Theory

The basic communication theory is also regarded to as the one way communication strategy that is known to be the earliest theory known. It is the process by which information is transmitted from the speaker to the receiver following a linear illustration. Until today, this communication theory is still being employed in most organizations, especially international or widely recognized groups. Because of the countless number of employees and people in the organization, the basic communication theory is used in order to reach as many people as possible. Often times, it is seen in the memorandum or official letters being circulated in the business sector.

Two Way Communication Process

Organizational communication may often follow the basic communication theory, however, the two way communication process may be deemed as a better means of communicating. This process involves several directions of the information providing people concerned the ability to provide feedback and their own personal opinions. With the capacity to give feedback regarding the information being said, the organization is able to come up with a clear understanding of the expectations from all parties involved. Business relations between two individuals or groups of people are made clear and well understood giving way for better long term relationships and understanding.

How to Apply the Communication Theory

Communication between people and groups are necessary in the work place and since it can be said that the clarity of the transfer of information helps develop better working relations in business, the application of the communication theory is important. Improving communication in the work place in needed to ensure that all these are attained by the organization.

In improving the manner of communication in the work place, individuals must be aware of how to relay information. Knowing how to transmit messages, whether through letter or personal exchange of ideas, is also needed for an individual to be able to determine the right words to use. In the same way, the receiver of the information must also be encouraged to ask in case there are some clarifications that need to be made to ensure that the information or instructions are well understood before proceeding to work. It is also very necessary to ask for feedback rather than to resort to the basic communication theory. This will certainly develop a culture of good communication and interaction in the work place for all individuals.

Your communication skills will always set you apart from other individuals because it is one of the features that make an impression onto people. Because of the importance of communicating with people, it is important to continue improving this skill. However, not everybody can confidently say that they could stand in front a group of people and share what they know. If you are one of those individuals who can say that they need to develop the confidence to do so, you not have to worry about this because almost every person has felt the same way. In most cases, speaking in front of people you barely know pushes you to demonstrate your communication skills even outside your comfort zone. As a result, you would usually find yourself at loss for words, stuttering, or blurting out words that hardly say what you really mean.

In order to improve your communication skills, you need to be able to evaluate what you can actually do. This will definitely help you determine where you should start and what you need to change or develop more. But before doing so, it is also important to know what are the basic communication skills and its definition.

Understanding Communication Skills

The true definition of communication is being able to clearly state one’s thoughts or message to another person. This is regarded to as the simple communication model which explains how information transfers from the sender to the receiver. There are many communication skills and strategies people use to send information to and from a person. The ways to communicate include spoken language and written material, but this will never be complete without someone to receive the information through listening and reading.

For years, the natural ability of people to communicate has been studied and theories have been continuously tested and investigated. Communication skills of people have been made the focus of many fields of study such as psychology, education, sociology, and advertising.

The Model of Communication

The structure of all means of communication among people is also something that you should be aware of to improve this skill. Communication skills must always flow through this model in order to ensure that the information is understood. This communication model begins with the sender, who will be the main source of the initial information that the receiver will listen or read. This message will then be decoded or translated to match the personal experience of the receiver. After understanding the information, the receiver, in turn, will become a sender to ensure that his or her idea regarding the initial message is shared with the other. This is called the feedback which may also be shown through spoken words, through writing, or through nonverbal responses.

There are countless ways that one can send messages based on their personal communication skills and capacities. Most people find it easier to speak their thoughts, while other prefer to put their ideas in writing which will give them more time to think about their ideas. However, nonverbal responses are the most obvious reactions that appear as visual communication strategies like that of raising one’s eyebrows, nodding, and smiling.

Things You Can Do To Improve Your Communication Skills

In improving your skills to communicate through spoken language, improving your tone, pronunciation, and diction must be the first to focus on. There is nothing more helpful that practicing one’s ability to speak which you can easily do by having meaningful conversations with your peers. If there is a need for you to speak in front of an audience, making an outline and practicing a script will be a big help in developing your confidence. In case you would also wish to develop your written communication skills, reading well written materials is the best strategy in order to improve your capability to share your ideas through writing.

Regardless of how well you communicate and who you constantly speak with, there will always be room for improvement especially if you are in a management position in your company. Choosing the Gannon online mba program, or any of the other reputable online schools, will not only help to improve your communication skills, but also develop the skills you need as a manager and leader in your company. Enriching one’s vocabulary and becoming conscious of one’s words will continue to develop your capacity to send messages across. The appreciation that other individuals can show you is the best validation of the improvement in your communication skills that you have achieved.

The worlds of marketing, education, and entertainment all have something in common – the facilitation of visual communication in the endeavor to connect with people. Regardless of the industry one belongs to, the need to develop good and effective communication skills can obviously be seen. All sorts of enterprise require their facilities and departments to search for ways to encourage and promote the business through varied marketing techniques. Most of the common techniques employed by businesses and industries these days include television and print advertising. It is a fact that the visual communication is the main factor that facilitates every marketing endeavor that a company creates.

The Way the Mind Works in Visual Communication

The mind is such a wonderful tool that works wonders through the ideas that it can develop and bring to life. This is the way that people would usually see how the mind functions. But looking deeper into the way the mind works, it can be said that most of the ideas formed come from the things that people see. The eyes may be the most important of all the senses because it is able to encompass all the others. The sense of sight brings about more than what other senses can provide people with. Due to this the need for visual communication techniques, it is found to be one of the more efficient strategy in business promotions.

Whether a person is reading, writing, or simply going about their daily routines, the sense of sight is utilized to the fullest. The interests of people on a certain topic, an object, and, in this case, a commercial product rely on the information sent to the brain through visual communication. The mind can tell people to either be motivated or discouraged and interested or indifferent towards something that they see may these be through images, labels, numbers, or designs. As a person looks at an advertisement, it can surely be said that the first things that get their attention are the colors, images, and short but meaningful quotations. It is as if a young child would rather choose to look at the colorful pictures found in their favorite story book and rarely be able to notice the small words that tell the story.

Means of Communication Over the Years

Gone are the days of relying one’s ideals and opinions on hearsays and word of mouth. These days, people would rather choose to trust what they see than what they could hear. In the earlier generations, the definition of communication would merely be described as what people listen to and share with others. But in today’s generation, communicating one’s thoughts goes beyond what can be heard because it also include what the eyes can see through visual communication.

The Art of Visual Communication

Business communication will never be complete without using advertisements to provide information and make people interested. Learning how visual communication works is truly an art that industries learn and adapt to as time passes. Since it is considered as an art, visual communication and its many techniques have varying appeal on the culture, location, and generation or age that it belongs to. This only means that visual communication must be adapted to the focus on the interests of people that it reaches out to.

Visual literacy is now being used in marketing industries to solicit the interest of its readers or viewers. From what people have experienced through the years, the development of technology has made it easier to create visual communication products that can be sent to people from different locations in the world in seconds. Since the day that the Internet has been invented, every individual has shifted their preference for entertainment because it utilizes visual communication which is easy to understand and to access. Displaying information through images has now been more favored rather than in words because it is able to send ideas that are clearer and can be understood across cultures, ages, and races. With this, it can truly be said that the world can best be connected together through visual communication and multimedia interventions.

Few would disagree that we have truly entered into a global age of intercultural communication. Modern communication satellites, cell phones, and the inter-connectivity of the World Wide Web have enabled the near-instantaneous communication with all individuals on Planet Earth. This world wide communications web applies to an even greater degree to the business world. Contracts, deals, negotiations are executed and carried out across the different cultural barriers and environments. Not only is there the obvious barrier of language in intercultural communication, there are widely diverse cultural environments that inhibit communication between people from dissimilar backgrounds. However, by utilizing certain methodologies and protocols, cross-cultural communication can be tremendously enhanced.

Intercultural Communication with Language

We can generally eliminate the language barrier, since English truly is the universal language in today’s world. It is pretty well known that commercial aircraft pilots and aircraft control tower operators all use English to communicate, not Russian, or Chinese, or Farsi! Language aside, the first barrier to intercultural communication is social values. This may involve something like etiquette rules or manners. There are actions or activities that are considered rude in American culture that may not be rude in another. Smacking your lips after a good meal is actually polite behavior in certain cultures! Americans like to shake hands when meeting or departing; other cultures look down on this behavior as inappropriate. Familiarize yourself with the social values and customs of the target audience to facilitate intercultural communication.

Body language and personal space ‘comfort zones’ are big differences that may hamper intercultural communication. For example, in some cultures, such as the Latin countries, two men standing very close together, and lots of touching, are considered normal male behavior. American men generally like a certain amount of personal space when talking with other men, usually about an arm’s length distance. People from other cultures may use a lot of hand gestures to emphasize various talking points. Having a sound knowledge base on non-verbal communication is just overall good communication sense, not just with intercultural communication.

Intercultural Communication in Business

For the average American or European businessperson, the adage of “time is money” is generally applicable to business dealings. But not all cultural groups perceive time in this manner. As it relates to business matters, certain Arabic cultures may take days to complete a simple business deal. Understand these different time perceptions across cultural groups to enhance and assist intercultural communication.

Try to avoid the deadly mistake of ethnocentrism, or the idea and concept that the entire world revolves around your particular culture: IT DOES NOT! This attitude can lead to perceptions of arrogance on the part of the other cross-cultural participant. Try to do little basic research on the other person’s culture; compliments go a LONG ways in intercultural communication. Avoid using slang and localized idioms, using more words that convey specific denotative meaning. It may even be beneficial to take specific intercultural communication courses that teach and educate on the specifics of; diversity awareness profiles, global competencies inventory, cross cultural adaptability, intercultural sensitivity, learning styles, diagnosing organizational culture, and much more. Becoming proficient in intercultural communication will significantly support the success of cross-cultural contact.

The types of communication we use are diverse and complex. Communication is simply the exchange of information; that information can be encoded in multifaceted and varied ways. As examples of this diversity in communication, compare the use of smoke signals, jungle drums, or flashing mirrors, to that of modern communication systems involving digital signals, microwave compressed bursts, laser beams (fiber optic), and radio-astronomy! All these methods communicate information, yet disparate encoding and decoding mechanisms are utilized, not to mention the communication medium itself (e.g., light, electrons, electricity, and radio waves). For simplicities sake, and brevity of time and space, just a handful of varied types of communication will be briefly discussed.

Types of Communication – Verbal

The first types of communication is the one used most by people of all cultures across the planet, that of verbal communication. As it applies to the business world, the business executive or manager will encounter people from different age groups, races, cultures, and gender. Distinct verbal skills may be required for each category or group. Any native speaker of American English who has encountered a British person knows that there are actually fairly large and distinct differences between U.K. English and American English. As a consequence, one of the key concepts in verbal communication is always knowing and being aware of who your target audience is; some forms of argot, slang, idiom, vernacular, and dialect are specific to only one audience group. There can also be differences between interpersonal communication and public speaking.

Types of Communication – Written

Every single day, most of us engage in the second types of communication, such as is being presented here, that of written communication. The ubiquitous nature of the cell phone has made it possible for near instantaneous communication with just about anywhere on the globe, thanks to communications satellites. How many billions of texts (written) messages are sent every hour of every day? Not only do we have the pervasive use of social networking sites, where many millions of words are written, but also in a business setting with emails, memos, reports, articles, ad infinitum. Although many people communicate through auditory methods (speaking on the phone), good writing are skills are still a sine qua non of any employment situation. Even a high school graduate has to take a written test!

Types of Communication – Non-Verbal

A third types of communication is one that is sometimes neglected, or that many are simply uninformed on the nature of and that is non-verbal communication. All of us unconsciously use these types of communication by our eye movements, gestures, body posture, hand movements, and even with what we wear and accessories, such as jewelry. There is an entire field of communication theory called Neuro linguistic Programming (NLP) that focuses exclusively on eye movements as communicating thoughts, intents, desires, and even if someone is lying! We also use types of communication with visual signals, although this may crossover into non-verbal. This is more the area of photography, topography, signs, symbols and designs. It is really visual display in the form of TV and video signals. A good understanding of all the diverse types of communication will result in a superior communicator.

Communication is probably the most complex interaction between humans that distinguishes us from all the other animal species on planet earth as there are so many different types of communication styles. The experts in the fields of psychology, neurolinguistics, advertising, information technology, computer modeling, and many others have all developed various models on what constitutes a communication “style”. But there are some general parameters on the different ways in which we all communicate. And certainly not everyone communicates in the same way, or “style”!

Models of Communication Styles

There are some communication style models that seem to take precedence over others. One model that differs from others lays out four different personality types in communication theory: the expresser (they get excited); the driver (they have decisive viewpoints and like to get their own way); the relater (they like attention, and to be viewed positively); and the analytical (these personality types behave methodically, like lots of data, and ask a lot of questions).

Assertive Communication Styles

But the predominant communication styles preferred by the experts in this field are that of assertive, aggressive, passive, and passive-aggressive. The assertive communication style has been deemed the most positive and psychologically healthy. Some definitions of assertive communication are those that use a firm voice, look directly at you, have high self-esteem, as well as respect for others. Assertive communicators clearly state their positions, but without violating the rights of others. They use “I” statements, listen well without interrupting, have relaxed body posture, but at the same time feel connected to others. The assertive person will speak clearly, honestly, and to the point.

Aggressive Communication Styles

The aggressive communicator almost always behaves using some form of manipulation. They will speak in a loud voice, with staring, narrow eyes. Their entire body posture says they are superior, and you don’t matter. Many times they are feared by others, and will evoke guilt or anger from those they are communicating with. They may become verbally or emotionally abusive, criticize, blame, or attack others, interrupt frequently, and just generally try to dominate everyone else! Their non-verbal communication will be a rigid posture, pointing fingers, and perhaps tight, closed fists. The aggressive communication style says, “I own you, you owe me, it’s your entire fault, you’re not worth anything.”

Passive Communication Styles

The passive communicator avoids expressing their opinion, fail to assert themselves, speak in a low and apologetic tone. Their nonverbal communication may be stooped, slumped, and looking away. They behave, believe, or say that they are weak and vulnerable, get stepped on by everyone, and don’t know what their rights are. They often feel depressed, resentful, anxious, and confused. This communicator will get disrespect and is often pitied. Finally, there are the passive-aggressive communication styles. They may appear to avoid direct confrontation, but will really use aggressive manipulation. Passive-aggressive manipulators use sarcasm or subtle sabotage to get even. They will feel powerless, and incapable of dealing directly with the object of their resentments. Thus these communicators may use “guerilla warfare” and set booby-traps for their opponents! Generally we all will fall into one of these different communication styles or strategies. Most of us can recognize one or more of these different communication styles in others.

Everyday of our lives we interact with people whether we have effective communication skills or not. We communicate with our spouses, children, friends, co-workers, and complete strangers in our day-to-day living. There are ways to produce more effective communication skills. The efficacy of a communicated message or information is determined how clearly it was received and understood. Unfortunately, human language is extraordinarily complex. There are nuances of meaning; there are simple concepts and then more abstract thinking. Trying to communicate a simple message such as “eat your dinner” is much easier than conveying the esoteric concepts of the general theory of Einstein, or quantum mechanics and time travel!

Your Audience for Effective Communication

The first step in effective communication is knowing who your target audience is. Among professionals there is the idea of “talking shop.” There is a special argot, slang, and concepts that are specific to different job specialties. Financial experts will communicate using many different financial jargon concepts. The military is famous for using acronyms that no one else understands! Brain surgeons will discuss things about the brain that a non-brain surgeon won’t have a clue to understanding. Professionals involved in marketing and advertising are the world’s experts in developing target audiences. They will use age, race, income, sex, and a whole slew of demographics to accurately convey a specific advertising communication or message. So knowing who you are talking to will boost communication skills and strategies.

Face To Face

Lawyers and attorneys are skilled specialists in using voice tone, inflections, cadence, and non-verbal communication strategies. Being able to physically monitor the facial reactions of the person or persons you are communicating with is a valuable communication tool. In fact, this is one of the primary critiques of our electronic communications instruments and social networks; they eliminate that all-too human real physical contact and interface. Indeed, there is something dehumanizing and mechanistic with non-physical communication methods. Good public speakers will recognize the signs of an audience member scowling, or fidgeting in their seat, as signs of displeasure with the message being delivered. In any communication, listen to auditory indicators, and monitor non-verbal information, for signs that perhaps there is something wrong with the way the message is being delivered.

Focus & Concentration

It is a true statement that most people really are not very good listeners. Most people are busy forming in their mind what THEY are going to say next, rather than truly paying attention to what the other person is saying. They say that concentration is a lost art today. Scientists have proven that surfing the internet actually physically alters our brain structure and chemistry. We use the hyper-links to flit from topic to topic, and never really FOCUS on just one thing at a time. There are tools available augment, boost, and amplify your concentration abilities. This will greatly enhance listening and communication skills.

There are so many different strategies to improve effective communication, and not all of them can be elaborated upon in this short segment. At times it is smart to utilize text analytics solutions to understand the message trying to be communicated. As a final conclusion, never be afraid to ask questions! If you don’t understand something, ask for a clarification. In the end, by utilizing effective communication skills you will have successfully and efficiently communicated the desired message.

What is communication? According to the dictionary, what is communication is defined as “…a process by which information is exchanged between individuals through a common system of symbols, signs, or behavior…” Basic communication theory posits four basic components for the successful completion of transmitting information (in a human context); the sender (or encoder), the message, the medium by which the message/information is sent (e.g., written, oral, audio, visual), and the receiver or target of the communication information (decoder). Any disruption, garbling, malfunction, etc. at any point of that communication sequence could result in the failure of a successful communication.

What is Communication and the Format

Starting with the sender, there is the complexity of human language itself. The message must be formatted correctly, with proper grammar, syntax, noun sequencing, and even pronunciation. If the encoder of the message speaks too rapidly, too slowly, mixes up words, has garbled speech, and so on; these can all affect how clearly the message is first delivered into the communication sequence. People afflicted with schizophrenia appear to speak clearly, but the speech is incoherent, what is referred to as “word salad”. Thus the origin of the message is already faulty.

Understandable & Coherent

The message itself must be understandable and coherent. Just linking random words together does not comprise an intelligent message. The complexity of the message is also a factor. For example, “The day is dark” is a different complexity level from “nanotechnological advances will accelerate the transition to transhuman and cyborg evolutionary jumps”. It may be difficult for a neuro-scientist to deliver an intelligible message to a kindergartener. The knowledge and intelligence level of both sender and receiver must be factored into the message linking process.

The medium by which the message is transmitted can be faulty. For example, passing a written paper to someone isn’t going to effectively communicate the message if the ink or words on the paper are blurred. A video transmission can be shaky or unclear. The audio sequence could be distorted. Simple noise can interfere with audio, as well as visual communication. There are environmental distractions, such as a cold or hot room, loud sounds or music, or someone talking loudly can all detract from the message medium. Video is particularly susceptible to various forms of interference.

Receiver & Decoder

Finally there is the receiver, or decoder of the message. To clearly answer what is communication must also factor in the psychological, physical, and even physiological condition of the message recipient. If the receiver/decoder is hungry, physically sick, mentally ill or disoriented, all these can factor into whether a message/communication was received clearly. As mentioned previously, someone with a low level of education is not going to understand a message delivered from a higher order of complexity. It would be difficult to deliver a message on, say, celestial mechanics, to someone who never completed the eighth grade! The message recipient must be fully focused, attentive, and concentrating of whatever communication is being sent their way. There are many different ways for a communication sequence to be intentionally disrupted, such as propaganda techniques, misinformation, and even disinformation. The question of what is communication should be addressed depending on the intended recipients and medium used to deliver the messages.

There are always going to be difficulties in any sort of interpersonal relations that require compromise in a relationship. Those relationships can be a manager at work, a close social friend, or a spouse/partner. The importance of communication is one of the key components to resolving any sort of interpersonal conflict. Basic principles of communication divides communication up into four primary components:

1) There is the person sending the message, called the “encoder”;

2) there is the medium by which the message is delivered (e.g., paper, video, audio);

3) The message itself; and

4) the person receiving the message, called the “decoder”. Any breakdown at any one of those system components and the message/communication will be distorted.

How do You Compromise In a Relationship?

There are plenty of nuances of meaning in human language. How often do we hear, “Well, you know what I MEANT…”? Some people may use certain words that the other person does not fully understand, or they could have a different definition altogether! Just the rhythm, cadence, intonation, and inflection can all play a role in how a particular message is decoded. Lawyers are masters at manipulating juries over the use of words. They are not ones that like to compromise in a relationship with their juries.

The importance of communication in a marriage is such that a marriage can be destroyed simply over the use of some harsh words. Even the Christian Bible says that the tongue can heal or the tongue can destroy. A spouse or partner can say, “I love you”, or they can say “I hate you”. Human beings are emotional creatures. Emotions can be manipulated by the use of words. There is a range of negative emotions such as hate, envy, jealousy, bitterness, lust, despair, hopelessness, that can all be instilled or caused simply by a wrong communication to a husband or wife. In fact, that is the role of a marriage counselor, to help mediate communications between spouses and clear up any potential misunderstandings by teaching them how to compromise in a relationship

When Someone Isn’t Willing to Compromise In a Relationship

It is an unfortunate aspect of marriage that one spouse may intentionally, deliberately, cause emotional pain to the other. People sometimes enjoy hurting one another. Even the courts and the legal system recognize psychological/emotional abuse. One partner telling the other that they are ugly or worthless is an example of emotional abuse through communications.

Ultimately a spouse is going to have to compromise in a relationship with their other half in order to have a smooth flowing relationship. Not everything in this world is going to go the way YOU want it to. In fact, it will rarely go in the exact direction that each of us may desire. People who have raised children will recognize that there is period in the child’s life, from early infancy up to the two’s and three’s, where the child truly believes the entire world revolves around THEM. The child is ego-centric. Eventually, over time and through maturity, the child, now into young adulthood, realizes that some sort of compromise is necessary in any interpersonal relationship. And one of the key components of compromise is the importance of communication skills. Marriage partners should always talk things out, preferably in nice, quiet, relaxing environment. Good communication can result in knowing how to compromise in a relationship which will lead to a happy relationship for everyone involved.

The term “corporate communications” mean differently to everyone, with most people seeing it as a concept that involves extremely intricate communication outlines and diagrams that are specifically designed to help in the field of business. While some aspects of this definition may be true, this is not entirely what this type of communication is. When you think about it, the way that communication is used in a business setting is much the same as the way that it is used in personal relations. Much like the latter, there are a lot of strategies that one may use in order to communicate well with the other member of his business. If you are involved in the field of business yourself, it is imperative that you familiarize yourself with these strategies so that you can implement them when necessary.

Simple Corporate Communications

One of the most important corporate communications strategies that you should get a full grasp of involves maintaining business operations and concepts to their simplest levels, as far as communicating them to the members of your team is involved. Given that the members of your staff has very different ways of learning the different concepts thrown their way, you should be able to explain relevant concepts so that the least experienced member of the group can understand it. Just make sure that you do not simplify these concepts in such a way that you would be leaving the important aspects out of the equation. Keep your levels of communication in their barest and simplest form without necessarily losing the main points of your message.

Maintain Authority

See to it that you impress the importance of every single message in corporate communications with you staff. Be it a simple memo that discusses simple operating procedures in the office or important modules that deals on concepts that directly affect your business, you need to be able to make the members of your staff to absorb what you are saying. Even more importantly, you should be able to motivate them enough to want to carry out the act that your message is requesting. Doing so can be as simple as using the right words and tone when you address them. Communicate with them in a way that will not let you lose your authoritative edge over them, but make sure that you avoid being domineering and overbearing as well.

Corporate Communications Lead to Good Relationships

Finally, you should understand that corporate communications requires you to keep maintaining and building relationships with the other members of your business. After all, you would not be able to carry out any business procedure without their help and their presence. However, this does not go to mean that you find out about every aspect of their lives and that you get involved in every single one of them. Try to maintain a good business relationship with your staff without being too involved in their personal lives. As long as you strike the right balance between being friendly and being professional in your corporate communications, you should be able to use your relationship with the members of your business to boost your over-all productivity and efficiency.

No matter how well you oil your business machine, there are bound to be times when the individual parts will not work as well as you’d want it to no matter what conflict resolution skills you employ. For this reason, it will be beneficial for you to familiarize yourself with the different conflict resolution solutions that you may implement when needed. Even the slightest problem can cause a lot of negative repercussions in your business, so it is imperative that you carry out these measures as early as you can. With good conflict resolution strategies, you should be able to bring things back to their rightful form without wasting any more time.

Importance of Conflict Resolution Skills

For one, you should understand that not every form of conflict will have a negative effect on the group. While the term may typically be described as any form of disharmony that is experienced by the members of the business, you, as the leader, can take these destructive circumstances and make them work for the better. With this said, it is important that you use your conflict resolution skills to spot the way through which you can turn these negative occurrences to something positive. Keep your attention focused on your positive goal, and you would most likely achieve it.

For you to be able to use your conflict resolution skills to resolve team issues, you should be able to maintain an objective stand in the matter. While it cannot be helped that you would form your own opinions about the problem, you should try to be as impartial as you can so that you would be able to come up with a solution that will be for the good of everyone involved. Try to depersonalize yourself from the issue and see things as if you are not directly involved. This way, you would be able to hatch a plan that will work well for both sides.

Conflict Resolution Skills Priorities

Make sure that you also prioritize the different steps that you would have to take in order to fix the problem, from the most urgent to the least. Obviously, you would have to tend to the more pressing concerns first, in order to minimize the negative effects that the situation may have on your business. While it can be hard to tell which step is more important than the others, you need to be able to come up with a plan that will allow you to address the issue. As long as you carry out a well0though out plan, you should be able to use your conflict resolution skills to effectively bring things back to the way that they were.

Finally, confront the people who are directly involved in the problem without alienating anyone. Conflict resolution skills would require you to hear the sides of those who would be most affected by the problem. Make sure that you bring up the topic in a way that it will not make anyone feel as if he is being blamed. See to it that you maintain a cool head throughout the process of using your conflict resolution skills, for anyone is bound to take up any negative sign that you would be sending their way.

Neuro linguistic programming can help to maintain a good outlook in life and sending out these positive impressions to the ones that you usually deal with will give you favorable results in everything that you do. This premise is the main belief that makes Neuro Linguistic Programming different from the other systems that are specifically designed to help people do better in their respective field. As a matter of fact, the program also believes that one’s way of seeing the world also has a great effect on the interpersonal skills that he use to connect with other people, ad vice versa. Using this approach will help you improve the over-all way that you function every day simply by changing the way that you see the different things that happen in your life. Here are the main benefits that you can reap by adapting the NLP point of view in the way that you communicate with other people.

Neuro Linguistic Programming to Achieve the Impossible

For one, NLP will teach you the various skills and techniques that you can use to achieve results that you previously thought impossible. With the basic concepts, you would be able to use the winders of human beings’ communications skills to make other people react in a way that will be beneficial for your goal. If you were a business owner, you can apply the basic premise of this approach to get better work results from your employers. If you are a team member, on the other hand, it will verse you about the various communication skills that you may utilize to make your voice heard.

Improving Relationships with Neuro Linguistic Programming

In addition to this, the NLP system will also help you improve the different life relations that you have, more specifically those that you have with your friends and the members of your family. While it may be most profitable when it is used in a business setting, you can very well use this approach in the other aspects of your life. Human beings are receptive creatures and other people will most likely be able to notice very telling signs, especially if some things are bothering you. Approaching things using a more positive point of view will make you easier to get along with and more enjoyable to spend time with. Try to see things in a good light and there is a great chance that your friends and family will see you as the gem that you are.

Finally, Neuro Linguistic Programming will help you build a much better relationship with yourself, both as an individual and as a functional member of a group. After all, being able to improve communication skills will require you to be able to harness all your thoughts and emotions and to channel them to achieve positive outcomes.

Learning strong skills in building relationships at work is the key to success for any organization. This allows camaraderie, cooperation and effective corporate communications that help in working towards a common goal or prize. A good manager knows this principle and tries to create ways and avenues where people within the company can develop good working relationships with one another. Sometimes, it is not enough to hire the right people. They might have the right skills for the job, but lack the social skills to get along with the other employees. When this happens, conflict resolution strategies need to be employed and the whole dynamics of the group changes. As a leader in the organization, it must start from you.

Here are some ways on how you can foster good relationships among your team:

Establish Trust While Building Relationships

Being trustworthy is a hard thing to prove. Trust is earned and therefore you need to make sure that you exhibit the right qualities as a manager in order for your people to trust you. This means that you would have to be proactive in ensuring that you uphold the confidence of your people and not let them down when they need you the most. This is tough, but once you have earned their trust through building relationships with them, it is easy for them to confide in you and to follow your orders. It also soothes the tension, allowing a more harmonious environment to take place.

Be Sincere and Kind

Some managers are harsh to their employees, while some might appear to be kind but show lack of sincerity in other ways. In order to have effective business communication in your team and be building relationships that are strong, there should be a balance of both. You must learn to listen and watch out for verbal cues that would lead you to the right conclusions. You must also learn to respond in a manner that respects your employees and show concern for their overall welfare. When you correct do it privately and when you praise them for their efforts do it publicly.

Commit to Excellence

Do not immediately go to the conclusion that some employees are merely poor performers while others are the star of your team. Take the time to assess where they are and what their concerns are. Study their habits and deal with them individually. Train and motivate employees to perform so that everyone has the same standard of excellence and working towards a common goal. It helps to hold meetings for the purpose of building relationships that would show them the vision of the company and motivate them to make it a mission to reach the given targets.

Adventure Activities

Effective business communication is not only seen in the office. It can also be seen in doing other activities such as a teambuilding adventure. As a manager, you can organize a retreat or unwinding activities that will promote a good work-life balance as well as a time of bonding for all members of your team or department. This will certainly take off the edge and allow members to relax and be themselves among their co-workers and boss through building relationships exercises.

As a manager, you must learn the importance of reading body language. There is more than one way to communicate and it is not just through words that we can get our points across. Managers who seek to understand body language in meetings, individual conversations and while working will be able to tell if their employees are motivated in their jobs or if they are slacking off. It is also important to be aware of how you project yourself as a manager and leader of the pack. Your body language speaks volumes as well.

Reading Body Language

Reading body language is also known as non verbal communication skills because it is through your actions and not your words that you can derive meaning from what you are trying to communicate. If you combine these with verbal cues, it is easier to understand the person and be able to respond the right way. Some of the non-verbal cues or body language that you need to look out for are the following: eye contact, posture, position of arms and legs, bodily gestures and the way a person dresses. If you learn to see the importance of communication using the following non-verbal cues, you will have more effective communication channels within your organization.

Eye Contact

When a person is unable to establish eye contact, this might mean a number of things when reading body language. The person might feel ashamed or uncomfortable to talk with his or her superiors. It could also mean that the employee might be hiding something and is ashamed of past failures. Whatever the reason may be, this would reveal a lot of things in his or her personality as well as demeanor in your office. You can then develop a proactive response to such cues.

Reading Body Language Posture

Whether sitting down or standing up, you will be able to assess the personality of your employees. If the person is sitting tall or standing straight, it shows great confidence and pride in the person. However, if the person seems to be slumping in his or her chair or slouching while standing up, the confidence level of that person may be a little low. It is also possible that the person is feeling a little demotivated and therefore needs your help.

Bodily Movements

Some people tend to cross their arms and legs. This means that they may not be so open to communicate with other people. You will also see some people turn to the side while talking with you. This could be evaluated as being slightly engaged in the conversation. Others show frantic and excessive movement which can then be interpreted as being in a hurry. Reading body language properly includes watching out for these movements in the body may help you assess what the person is feeling or implying so that you can respond to it in a respectful and more appropriate way.

Clothing

This is also a good non-verbal cue to assess the character and communication style of the person. People who are trendy and up-to-date in terms of fashion may have the confidence that other people lack. It would also show the personality of the individual and his or her preferences. To truly be an expert and improve your communication skills drastically, learn more about body language and psychology with a Masters in Applied Psychology. Indeed, the importance of communication through use of reading body language can help you resolve many issues within the organization and continue building relationships positively.

Conflict resolution strategies becomes an inevitable part of interpersonal relationships especially if you are working with many people and managing a large team. If you are working with groups of people, you are bound to encounter some personal or business related conflicts along the way. If you are a manager, you must realize the importance of communication and how it can affect or resolve conflicts within the organization. You must also know some conflict resolution skills that will help you resolve these conflicts to be able to work together towards a common goal.

Conflict Resolution Strategies For a Manager

In some cases, conflicts between members of a team or a department may be so hard to diffuse that only the leader can actually help resolve it. The manager should be equipped with the right things to say and do in order to utilize conflict resolution strategies to solve the conflicts between the members of the team so that it will not affect the day to day operations of the business. It can be quite challenging to handle such conflicts even with a seasoned manager in charge. However, there are some conflict management strategies that you can look into so you can properly solve the major concerns of each party and hopefully come up with a compromise between them. If conflicts remain unresolved, there is a greater chance of decreasing productivity in the workplace and declining proficiency.

Emotions Involved

Since conflicts come usually as a result of emotions, understanding the importance of communication and learning how to communicate properly will certainly help diffuse the situation before resorting to conflict resolution strategies that may or may not work. If you are the manager and you are currently handling a difficult situation such as this, you need to keep your emotions in check and remain calm. Exploding into an argument with the parties concerned will not resolve the conflict and probably make the situations worse. Show empathy to the people having this conflict and show them, not tell them, that you are there to help them out. Express genuine concern to them and make sure that they understand that you are there to help them come up with conflict resolution activities or a compromise.

Words & Tone

Be very cautious and careful with the words that you speak and the tone of your voice. Explain to them in a sensitive manner that cooperating and making the necessary compromise would hasten the resolution of this conflict. Effective communication through actively asking open-ended questions will also help them to open up with their feelings that will give you details on how the conflict began and how it can be put to an end. After asking these questions, listen with an open ear and an open heart. Do not be biased and keep your opinions to yourself until you have fully unraveled the cause that started all this conflict.

Acknowledge the problem presented by both parties involved in the conflict. Make suggestions and not demands. If they don’t agree to your suggestions, you can ask them if they could give their own suggestions, but never leave the conversation unresolved. Talking it out with a neutral person, preferably the leader will certainly help in making them realize the importance of communication and how you can easily resolve conflicts if you are open to talk about it and utilize conflict resolution strategies.
