I just got back from Las Vegas where I attended the annual PRISM Conference. PRISM, which stands for Professional Records and Information Services Management, is the premier trade organization in the commercial records management industry, and the conference provides a list of educational sessions focusing on current industry trends. In addition, the conference provides a strong networking environment for industry leaders to share their experiences and discuss current topics and challenges in the industry.

The Data Vault has been a longtime member of PRISM as this was my fourth conference in as many years. Every time I attend a conference I am reminded that while everyone at The Data Vault focus on building and maintaining relationships with customers here in Louisville, we are part of a large and critical industry that is utilized by companies all over the world. It helps to affirm the importance of our business, and the desire we have to be the best records management provider in the region.

The focus of this year’s conference was privacy. Due to the lack of a true industry measure of compliance, PRISM developed their own. PRISM’s Privacy+ Certification ensures members have implemented administrative, physical and technical safeguards that protect the confidentiality, integrity and availability of client information. Holly Abrams, The Data Vault’s Privacy Officer, was instrumental in us completing the requirements of Privacy+ after attending a special PRISM Privacy Workshop in Miami this past January. The Data Vault is the first in our region to complete this achievement and will continue to meet the qualifications that include an annual audit.

While the conference may have been in Las Vegas, protecting personal information is not something to gamble on. Many laws and regulations have come out over the past several years that protect personal or private information including HIPAA, Gramm-Leach-Bliley, Sarbanes-Oxley, PCI-DSS, FTC Red Flag Rules and countless others are on the way. Everyone in the Records and Information Industry must continue to make advancements in security and procedural safeguards to help ensure that client information is protected. I must admit, I am not much of a gambler, but I did learn that while security and confidentiality have always been of the highest importance here at The Data Vault, it is time to “double down” on our efforts for continuous improvement on information protection for our clients.
