This idea stems from the way computers themselves have been organized since the very beginning, which makes it seem immutable. However, as data volume has exploded and work has become increasingly distributed, this structural architecture has fractured. The modern knowledge worker spends an alarming amount of time navigating digital labyrinths, searching for files disconnected from their operational reality.

In response to this operational friction, some organizations are starting to transition away from folder-centric structures to embrace a context-first approach. This evolution is no longer merely a matter of administrative efficiency; with the rapid integration of AI and automated document processing, establishing a context-first foundation has become a critical requirement for operational trust, compliance, and governance.

The Value of Context

To understand the value of context-first work, one must first recognize the fundamental disconnect between a document and its business meaning. A document does not exist in a vacuum. A contract is not merely a collection of legal clauses stored as a PDF; it is an active agreement linked directly to a specific client engagement, managed by an account executive, governed by regional regulations, and subject to renewal deadlines.

Context-first work reverses the traditional information hierarchy. Instead of forcing users to navigate to a specific folder location to find information, it surfaces information dynamically based on the user’s current business activity. When data is organized by what it is rather than where it is saved, the underlying metadata establishes a web of interconnected relationships.

When an organization commits to a context-first strategy, operational productivity spikes. Employees no longer waste cognitive energy switching between separate platforms or tracking down the “latest version” of a statement of work. Instead, the document management layer delivers a complete, 360-degree view of all assets associated with a specific project, client, or compliance mandate.

Trust, Governance, and the Hallucination Problem

While context-first strategies offer clear benefits for human operators, they are absolute prerequisites for AI-powered document management. The rapid ascent of AI document processing and automation has promised an era of unprecedented efficiency. Yet, many organizations have hit a wall when deploying AI across their legacy systems. The reason is simple: AI without context is dangerous.

When an enterprise deploys an AI system over a traditional folder-based repository, the AI can analyze text sequentially, but it lacks the structural awareness to differentiate a draft from an approved contract, an expired regulatory policy from a current one, or a highly sensitive client file from a generic template. This lack of situational awareness can even cause AI hallucinations. Enterprise AI adoption is usually not bottlenecked by AI capability, but instead by data governance and context.

Context acts as the critical guardrail that establishes trust in AI. An AI engine that is given documents wrapped in rich, multi-dimensional metadata knows precisely who authored the file, its active lifecycle stage, the client it belongs to, and its security tier.

Furthermore, when an AI summarizes an enterprise asset or extracts data from an invoice, a context-first infrastructure allows the system to provide explicit source attribution. Users can trace any AI-generated insight back to the exact, verified document version from which it came. This architectural trust ensures that automation enhances compliance and quality management rather than introducing liability.

What Does Context-First Look Like?

Let’s look at two examples of what context-first document management might look like in practice.

Quality Management

The Non-Context-First Approach: During an audit, a manager scrambles to locate standard operating procedures, training logs, and deviation reports spread across multiple department folders. Version control is managed manually via filenames (you know the kind: document_v4_finalFINAL_edited.pdf), making it impossible to confidently prove compliance to the auditor.

The Context-First Approach: All quality documentation is unified by product, facility, and regulatory code. A deviation report is linked to the specific manufacturing line asset and the mandatory Corrective and Preventive Action document. Audits are cleared in hours because the complete compliance footprint is visible on a single screen.

Automated Invoice Processing

The Non-Context-First Approach: An automated Optical Character Recognition system extracts data from an incoming invoice and dumps it into an accounts payable folder. Because the system cannot verify if the invoice matches an active purchase order or if the vendor is approved, a human clerk must manually cross-reference multiple systems.

The Context-First Approach: The incoming invoice is automatically parsed by AI, which reads the vendor data and instantly maps it to the corresponding contract and PO in the system. The context-first engine validates the terms, triggers an automated approval workflow, and flags discrepancies instantly based on pre-established metadata relationships.

As you can see, there’s a difference between using systems and using them well.

M-Files Workspaces Uses Context as its Foundation

Transitioning to context-first document management is no small task. In the first place, you need the proper tools. M-Files Workspaces is an enterprise information architecture system designed from the ground up to prioritize metadata over location. M-Files completely decouples documents from storage locations, organizing assets entirely by their business context.

Workspaces transform how users interact with enterprise data by creating dynamic, purpose-built hubs for specific operational domains. Whether managing a client portfolio, a project lifecycle, an audit, or a complex tax advisory case, Workspaces aggregates every relevant document, object, and communication into a single, cohesive interface.

Dynamic Views Powered by Metadata

In M-Files, a document does not live in a single folder. It exists as an independent object defined by its metadata tags. For example, a single project agreement can simultaneously appear in the “Legal Review Workspace,” the “Client Onboarding Workspace,” and the “Finance Accounts Receivable Workspace.” Any updates made to the file are instantly reflected across all views, eliminating data duplication and version confusion.

Native Collaboration and Lifecycle Security

Workspaces provide an intuitive, collaborative environment where internal teams and external stakeholders can securely co-author, review, and approve documentation. Because access control is driven by metadata, security permissions evolve automatically along with the document’s lifecycle. For instance, when a document’s status transitions from “Draft” to “Under Review,” M-Files automatically restricts editing rights and provisions read-only access to external auditors, eliminating the risk of human error in security configurations.

The M-Files Aino Advantage: Contextually Bounded AI

The true capabilities of M-Files Workspaces are unlocked through its native AI assistant, M-Files Aino. Unlike generic AI tools that sweep broadly across unorganized corporate drives, Aino operates with full contextual awareness of the specific workspace it is deployed within.

When a user asks Aino to summarize a dense collection of project files, locate discrepancies in a vendor contract, or cross-reference regulatory changes against internal quality standard operating procedures, Aino uses the rich metadata fabric established by M-Files to deliver highly precise, contextually bounded answers. Aino knows the exact state, relevance, and authorization tier of every piece of data it touches. This architecture mitigates the risk of hallucinations and ensures data governance, giving companies the confidence to fully automate complex document-centric workflows.

Cultivating an Architecture of Trust

As organizations navigate an increasingly complex information landscape, the limitations of traditional, folder-based document management have become clear. The future of enterprise productivity, compliance, and technological readiness belongs to context-first work. By organizing information based on its true business meaning, organizations can break down operational silos, minimize cognitive strain on employees, and build efficiency.

More importantly, as AI becomes a core operational engine across many businesses, context-first architecture provides the foundational data integrity that AI requires. Through solutions like M-Files Workspaces and Aino built on metadata-driven context, businesses can transform their unorganized data into a highly structured, fully auditable asset, cultivating an ecosystem of trust where both humans and AI can excel.

If you’re looking to implement, customize, or extend your document management software or strategy, we’re here to help! Contact us today to learn more.

Let’s jump in!

1. Decide Whose Job It Is

“Whose job is it?” “Not mine!” is a time-honored conversation exchanged across every company with more frequency than we’d care to admit. That’s why, if you’re serious about making your business more data-driven, you need a “data champion.” This person might be you, they might not, but they need to be both committed to and compensated for the role. A data champion acts as both an advocate and a translator for data-driven culture. They actively promote best practices, ensure data integrity, and demonstrate the tangible value of analytics to stakeholders who might otherwise be skeptical.

The data champion must be willing to (and have the authority to) collaborate across departments. By providing mentorship and establishing clear governance standards, they ensure that the new insights generated are accurate, consistent, and accessible. This leadership is essential for scaling digital transformation efforts; without a dedicated champion to navigate the cultural resistance and technical hurdles, even the most expensive software investments are likely to fail. Ultimately, they ensure the business doesn’t just collect data but actually changes because of it.

2. Get the Right Tools

While enthusiasm will get you far, it won’t get you far enough without the right data tools. We’ve written at length about how to choose, implement, and succeed with modern data management tools like Epicor and Interject, so we won’t repeat all that here. However, one thing is worth mentioning here: make sure whatever data analysis tools you choose are as user-friendly as possible. Your employees shouldn’t have to have a degree in computer science to understand the software. If decision-makers can’t easily access the right data, nothing will change.

3. Track the Right Metrics

Speaking of the right data: you’ve got to make sure you’re tracking the correct metrics! With the advent of AI-powered software, it’s possible to track a vast amount of data. But which metrics are the most important?

To identify key metrics in your business, first start by finding the “pain points” of your organization: what can’t you explain? What processes are breaking down without a clear reason? These are the problems you’ll want to track with metrics first. Next, start your research: what metrics do industry experts and/or your software partner recommend to track relevant data around those issues?

Metrics will vary for every business, but here’s an example of the importance of the right metrics: for manufacturers and distributors, metrics such as warehouse capacity utilization can be misleading if viewed in isolation; a full warehouse might signal high stock levels, but without context, it often hides inventory turnover issues or “dead stock” that ties up capital. Rather than obsessing over raw inventory counts, you may want to focus on metrics like carrying cost of inventory, lead time variability, or first-pass yield, which highlight where supply chain bottlenecks occur. In addition, businesses should pay attention to overall equipment effectiveness and on-time in-full delivery. The first provides a granular look at availability, performance, and quality, ensuring that machinery isn’t just running, but running optimally. The second serves as the ultimate barometer for distribution health, directly impacting the bottom line by measuring the ability to meet customer demands without costly back orders or shipping errors.

4. Get Data to the Right People

So now you’ve got meaningful metrics. Congrats! That’s a huge step forward. But just having the data isn’t enough—it’s got to be used! Data is only useful if the people in charge actually see it and understand it. You can track every machine and shipment perfectly, but if those insights stay trapped in a messy spreadsheet or a single department’s inbox, they’re basically useless. Good reporting isn’t about dumping more numbers on someone’s desk; it’s about using clear visuals, informative reports, and user-friendly dashboards to show exactly what’s going on throughout your business.

5. Commit to Careful Change

Now, a word of warning: making all these changes doesn’t happen overnight. While the “move fast and break things” mantra works for some startups, established businesses usually rely on intricate, interconnected systems where one small adjustment can have massive downstream consequences. After all, if you inadvertently break a process that was actually functioning well, your business might end up in a worse spot than the one it started in!

Pushing radical changes too quickly often triggers “change fatigue,” leading to employee burnout and active resistance. By rolling out updates in manageable phases, you give your team the time to unlearn old habits and gain confidence in new ones. Slowing down allows you to be deliberate and ensure that when you finally arrive at your goal, the entire company is still on board.

6. Keep Your Sensitive Data Safe

One more word of caution (I know, these two points are downers): While the ability to harness more complex data is a powerful asset, it brings a responsibility to defend that information against increasingly clever digital threats. This begins with locking down sensitive files through high-level encryption and ensuring that access is strictly limited to specific roles, preventing unnecessary exposure. Not all data should be shared widely.

Your organization should consider layering their defenses with multi-factor authentication and role-based permissions, making it significantly harder for intruders to breach the system even if they compromise a password or an account. Automated backup systems act as a vital safety net, ensuring that data can be recovered instantly if a failure occurs. Finally, consider implementing automated monitoring tools to keep the company in constant alignment with strict legal standards like GDPR or CCPA.

7. Get Everyone Involved

Last but certainly not least, a data-driven transformation is only as strong as the people clicking the buttons. You can invest in the most expensive analytics software on the market, but if your team doesn’t believe in the output, they will revert to “gut feelings” and ignore the screens. When staff feel that new metrics are being used to micromanage them rather than empower them, they often resist the change or, worse, find ways to “game the system” to make the numbers look better. To avoid this, you must demonstrate how data makes your employees’ lives easier, whether by reducing repetitive tasks or providing the evidence they need to justify a budget increase. Without this human alignment, your digital transformation is just a collection of expensive charts. With it, data becomes a tool that drives collective innovation and long-term success.

functions, views, and stored procedures to build your application and interact with M-Files metadata.

We’ve just debuted MFSQL Release 5, which includes updates across the board, but the new release focuses primarily on improvements to the MFSQL Context Menu. Read on to find out more about MFSQL and how its context menu allows for seamless and simple software integrations.

An Introduction to MFSQL

MFSQL is a database connectivity tool that provides seamless synchronization between M-Files and the SQL server. This means that your developers can access and interact with M-Files metadata through SQL without having to use the M-Files API. MFSQL provides control over multi-layered processing and transferring of M-Files object information. This control allows for better reporting, data manipulation, and integrations.

MFSQL is made up of two main modules. First, the Data Exchange and Reporting Connector allows you to manipulate M-Files data, combine that data with external data, and create reports using BI analytics software. Secondly, the Integration Connector automates processes, relates data, and powers the SQL integration capabilities.

The MFSQL Context Menu

The MFSQL context menu allows either a user or an event in M-Files to trigger an SQL operation (both cloud-based and on-premises installations allow this). In the MFSQL Context Menu, a user can select an option from a customizable menu in order to choose an operation that they want to complete. An action can also be activated by a workflow change or a particular event within the system. Whatever action is triggered can be specific or generic: it can use particular object-related metadata in its processing, or it can perform a generic operation that isn’t specific to a particular object or collection of objects.

What Can the Context Menu Do?

The context menu is available in both the Data Exchange and Reporting Connector and the Integration Connector. In the Data Exchange and Reporting Connector, it can help a user clean data, combine M-Files data with external data, and create reports using any BI analytics software. Within the Integration Connector, the context menu allows a user to integrate any third-party system, automate background processes, and relate data from multiple sources.

For example, the context menu might trigger a process update of an object immediately after check in, which ensures that it will be included in your reporting and workflows. Or, when a contract is finalized, the context menu may also automatically create a customer record in the ERP system and change the class of the object to a project.

New Features in Release 5

MFSQL Release 5 improves user-facing operations via UIX v2 Context Menu, Web API components, workflow state actions, event handlers, and MFSQL Connector dashboards (desktop and web). These require a direct vault-to-SQL connection and deliver better automation and integration.

In addition, Release 5 supports and is certified for newer environments, including M-Files version 25.6+ and their updated Web and Desktop clients. It ensures full operation in Windows Server 2022+, SQL Server 2022+, and especially M-Files Cloud setups.

Release 5 adds capabilities for better integrations, metadata management, reporting, and third-party connectivity, such as overcoming some limitations of M-Files External Connectors. The installer handles VAF registration, database setup, optional UIX v2/Web API deployment, and more in a streamlined way.

See the Context Menu in Action

2026, Microsoft officially announced that it is retiring several legacy SharePoint Online records and information management features in favor of Microsoft Purview.

What is Microsoft Purview?

Microsoft Purview is the unified “command center” for your organization’s data governance, security, and compliance across your entire digital landscape. It works by creating a comprehensive data map that scans not just Microsoft 365, but also AWS, Google Cloud, and on-premises servers to identify exactly where sensitive information lives. It uses sensitivity labels to encrypt files and prevent unauthorized sharing, ensuring that confidential data remains protected regardless of where it travels.

In the era of Microsoft 365 Copilot, Purview acts as the essential guardrail, preventing AI from accidentally surfacing restricted content to the wrong users by enforcing strict, metadata-driven permissions. By integrating Purview with M-Files, you gain a robust layer of “invisible” compliance, where the system protects data in the background while your team focuses on their actual work. It is the engine that ensures your data is discoverable for those who need it, but completely invisible to those who don’t.

Native Content, Unified Boundaries with M-Files and Microsoft Purview

When M-Files stores a document, it now resides within the Microsoft 365 security boundary.

Why does this matter? Because it means Microsoft Purview can “see” and protect that content as if it were a standard SharePoint file. M-Files describes this as a key enabler for stronger, unified compliance. Instead of having two separate sets of security rules—one for your DMS and one for your M365 tenant—you now have a single, unified layer of governance.

This unified layer of governance allows organizations to apply Purview’s tools for:

Data loss prevention (DLP)

Sensitive information detection (using Purview’s AI-powered classifiers)

Organization-wide retention and disposition policies

Legal holds and eDiscovery

Essentially, M-Files handles the logic (workflows, metadata, and user experience), while Purview handles the compliance and data protection.

No More Trade-Offs: Metadata Meets Governance

Historically, the knock against third-party document management systems was the “data silo” problem. If you moved a document into a specialized system, it often escaped the reach of your global Microsoft compliance policies.

By sitting on top of SharePoint Embedded, M-Files users get the best of both worlds. You get the metadata-driven innovation that M-Files is famous for built within Purview’s security features. M-Files can automatically classify a document based on its metadata, and Purview takes over to ensure that record is locked, retained for the legal duration, and eventually deleted with a defensible audit trail.

This unification also benefits AI tools: Because M-Files stores content in SharePoint Embedded, Microsoft 365 Copilot can now “see” the high-quality, AI-curated content managed by M-Files. This prevents the “garbage in, garbage out” problem that plagues many Copilot implementations. M-Files cleans up the data; Purview secures it; Copilot makes it useful.

The April 2026 Deadline: The End of Legacy SharePoint

In order to focus on the powerful features of Microsoft Purview, starting in April 2026, the following features of SharePoint will lose support and may disappear from the UI:

Information Management Policies: The old-school site/library-level policies for auditing and barcodes.

In-Place Records Management: The traditional “lock” icons and record declaration roles within libraries.

Legacy Deletion Policies: Automated deletion rules based on outdated site-scoped criteria.

Microsoft is effectively forcing a migration from these outdated tools (originally designed for on-premises SharePoint 2013/2016) to the modern, cloud-native capabilities of Microsoft Purview.

For organizations still clinging to these legacy features, the M-Files/Purview integration isn’t just a “nice to have”—it’s a lifecycle-saving migration path. M-Files provides the modern front-end that makes this transition painless for users, while Purview handles the backend heavy lifting that Microsoft now requires.

Future-Proofing Your Data: A Checklist

If your company uses these legacy SharePoint features, you may be asking, “what now?” Here is your transition checklist to ensure a smooth handoff from legacy SharePoint to the M-Files/Purview ecosystem. This may not cover every single change you need to make, but it’s a great starting point for your own migration plan.

Phase 1: The “Digital Triage”

Identify Legacy “Grit”: Audit sites for features retiring in April (see above for a list).

ROT Analysis: Delete or archive redundant, obsolete, and trivial data. Digital hoarding is the enemy of a clean Purview implementation.

Permission Audit: Use the “Restricted SharePoint Search” tool to see what content is overshared. This is critical if you plan to use Copilot after the move.

Licensing Check: Ensure you have the necessary Purview licensing (E3 for basic retention, E5 for automated record versioning and advanced eDiscovery).

Phase 2: Architecture & Mapping

Define M-Files Classes: Map your legacy SharePoint content types to M-Files Classes (e.g., “Legal Contract,” “Project Invoice”).

Map Metadata to Labels: Create connections between M-Files metadata and Purview labels.

For example, an M-Files property Project Status: Closed should trigger a Purview Retention Label of 7 Years Archive.

Sensitivity Label Design: Define 3–5 core labels (for example: Public, Internal, Confidential, Highly Confidential) in Purview to handle encryption and sharing restrictions.

Phase 3: Technical Configuration

Purview Label Publishing: Publish your retention and sensitivity labels to the modern SharePoint sites where M-Files will reside.

M-Files Connector Setup: Configure the M-Files integration to use your SharePoint tenant as the primary storage (SharePoint Embedded).

Auto-Labeling Simulation: Run Purview auto-labeling in Simulation Mode for 1–2 weeks to catch false positives before enforcement.

Phase 4: The Migration Sprint

Pilot Migration: Move one department first. Verify that M-Files workflows trigger correctly and Purview labels stay attached.

Bulk Migration: Use the M-Files Importer or SharePoint Migration Tool. Ensure metadata is preserved during the migration.

Record Declaration: For files that must be “Locked,” ensure the transition to Purview’s Records Management (which replaces legacy In-Place Records) is verified.

By following this checklist, you’ll set yourself up for success. But you need to start sooner rather than later in order to give yourself and your company breathing room as you navigate this complex transition!

The End of an Era

The retirement of legacy SharePoint features in April 2026 marks the end of an era. The “old way” of managing records with folders, manual labels, and site-scoped policies is going the way of the floppy disk.

The future belongs to unified governance. By embracing the M-Files and Microsoft Purview integration, you aren’t just staying compliant; you’re building a system where data is secure by default, organized by intelligence, and ready for the AI-driven world of tomorrow.

In a world where data is growing faster than our ability to manage it, having a foundation that strong is the only way to stay ahead. If you need help managing your data or transitioning to Microsoft Purview, contact us today. We’d love to talk with you!

If you are currently running Epicor Kinetic on-premises or in a non-Epicor hosted cloud environment, now is the time to move from “reactive maintenance” to “strategic planning.” Here is everything you need to know about the switch and a step-by-step guide for SMBs to prepare.

The Sunset Timeline: Important Dates for Your Calendar

Epicor has laid out a phased approach to sunsetting on-premises releases. Understanding these deadlines is the first step in avoiding a last-minute scramble. Below are the dates for Epicor Kinetic.

May 2026: With the release of Kinetic 2026.1, Epicor officially retires the Smart Client. All Epicor customers upgrading to this release or later will need to transition users to the browser-based client using the Kinetic user interface if not already adopted in an earlier release. This applies to all Epicor deployments.

January 2028: Epicor has tentatively scheduled the release of version 2028.1. This will be the final, fully functional on-premises major release. Major releases, currently done twice per year, are where Epicor incorporates new functionality or “innovation” to the Kinetic product line. All future innovation, including AI-driven tools and other major functional enhancements will only be delivered only in the cloud start with version 2028.2.

December 31, 2029: Active Support for 2028.1 ends consistent with Epicor’s current support lifecycle policy.

January 1, 2030: Sustaining Support begins. This means no new bug fixes, security patches, or compliance updates for 2028.1 and prior, only limited assistance for existing issues.

The key dates for Prophet 21 and BisTrack vary from Kinetic. Consult Epicor’s website for details on those products.

Why the Shift? The “Cloud-Only” Value Proposition

For Epicor, maintaining two separate codebases (Cloud and On-Prem) slows down innovation. By moving to a cloud only architecture, they can deploy updates faster and integrate advanced technologies like Epicor Prism (their generative AI agent), Epicor Grow AI, and others more effectively.

For SMBs, the benefits of moving to the cloud include:

Reduced IT Overhead: You no longer need to manage physical servers, SQL licenses, or hardware refresh cycles.

Enhanced Security: SMBs are prime targets for ransomware. Transitioning to Epicor’s cloud (built on Microsoft Azure) provides enterprise-grade security and disaster recovery that most small businesses can’t afford to build and manage in-house.

Ubiquitous Access: The browser-based interface allows your team to work from anywhere without complex VPNs.

Continuous Updates: Instead of less frequent, larger project upgrades every few years you will receive smaller, manageable updates twice a year.

Check out this other blog for another benefit of moving to the cloud: AI sustainability.

The Risk of Doing Nothing

Staying on-premises past version 2028.1 means committing to maintenance, not growth. You will be essentially freezing your system in time while your competitors adopt new technologies like AI forecasting, automated supply chain triggers, and real-time mobile analytics, and other, smaller improvements to existing functionality, that beginning with Kinetic 2028.2, will only be available in the cloud-based Kinetic.

Furthermore, as industries move toward “Zero Trust” security, legacy on-premises systems become increasingly difficult to ensure. Many cyber insurance providers are raising premiums—or denying coverage entirely—for businesses running end-of-life software on aging local hardware.

Of course, the cloud may not be the answer for every SMB. For the rest of this blog, we’ll go over advice for businesses who want to make the switch. However, if you’re committed to staying with the on-premises version of Epicor and want advice on how to make that work for as long as possible, let’s talk.

5 Steps for SMBs to Prepare for the Switch

Moving to the cloud is a transformation of how your business operates. As such, this transition needs to be handled with the utmost care and attention to detail. Here’s how to get started:

The Customization Audit

Most long-term Epicor users have heavily customized their systems, and this can be a significant hurdle to switching to the cloud. Customizations requiring server-side code and related files are not permitted on Epicor hosted servers for security and maintenance reasons. Inventory all customizations and assess the use case(s) they were developed and cut any that are no longer required. Then determine the impact of migrating remaining customs to the cloud environment. Epicor 2023.2 includes a Configuration Upgrade Dashboard that can also be a helpful starting point.

Change in Licensing: On-premise perpetual licensing will change to the SAAS (software-as-a-service) model.

Data Governance Check-In

Now is a great time to analyze your current data governance policies and strategies and consider implementing changes. In a project like this, most stakeholders will be motivated to produce cleaner, more secure, and more organized data.

Network and Infrastructure Assessment

When your ERP moves to the cloud, your internet connection becomes your most critical piece of infrastructure. Conduct a stress test on your current bandwidth and consider investing in a secondary “failover” internet connection (like a 5G backup or a different provider). If your internet goes down in a cloud-only world, your production line stops.

Leverage the “Ascend with Epicor” Program

Epicor offers the Ascend with Epicor program to streamline the process. The program includes automated, AI enabled landscape analysis tools (Analyzer) that scan your current environment and generate a “readiness assessment.” It highlights exactly which customizations will break and which data needs attention. You can also contact your Epicor account manager to request a readiness assessment. It’s the best way to see the “gap” you need to bridge.

User Training

The shift from the “Classic” screen look to the modern Kinetic browser interface can be jarring for employees who have used Epicor for many years. Identify power users in each department and give them early access to a pilot environment. You will need to provide extensive training opportunities for your employees. Build a culture where users are comfortable with the browser-based UI long before the actual cutover date.

Managing the Financial Shift

For many SMB owners, moving from a capital expenditure (buying the software and servers upfront) to an operational expenditure (a monthly subscription) will be an unwelcome change. However, while the monthly bill might look higher at first glance, you must calculate the Total Cost of Ownership (TCO). When you factor in the cost of server hardware, electricity, cooling, IT staff time, SQL maintenance, and the risk of downtime, the cloud often proves more cost-effective over a five-year horizon.

If your company is in a highly regulated industry (like aerospace or medical devices), look into Epicor Kinetic Government Cloud or Custom Cloud options. These provide the benefits of SaaS while meeting strict compliance requirements like ITAR or FDA validation.

The Path Forward

The move to cloud-only is an invitation to modernize your business. By starting your audit and data cleansing today, you can avoid panic or system downtime when changes occur. The goal isn’t just to move your ERP to someone else’s server; it’s to build a resilient, agile foundation that can scale as fast as your business does.

If you’re looking for some help during this transition, we’re here for you! Our experts at Laminin can help you strategize, customize, and integrate your Epicor Kinetic software—even during such a big transition. Please contact us to discuss how we can support your business and its unique needs and goals.

If your business uses M-Files, a game-changing new collaborative feature has just emerged: M-Files Workspaces. This groundbreaking new feature is designed to transform how your teams work together, acting as a dynamic environment for projects, initiatives, and ongoing departmental functions. Workspaces will simplify project management, enhance team cohesion, and ultimately drive better business outcomes.

M-Files’ metadata-driven approach ensures that content is always found through context, not location. However, collaboration often requires a more active, project-centric environment—a place where teams don’t just store information, but interact with it, discuss it, and drive it forward.

What Are M-Files Workspaces?

This is where M-Files Workspaces comes in. A Workspace is a unified collaboration hub that brings together documents, tasks, discussions, and team members into a single, contextualized view. In other words, it connects every piece of information stored in M-Files that relates to a certain project or customer. Think of it as a virtual project office, tailored to the specific needs of each initiative or team. Whether it’s a new product launch, client onboarding, a marketing campaign, or an internal HR initiative, a Workspace provides a dedicated space where all relevant information and activities converge.

For example, instead of creating a new folder structure on a shared drive and sending a dozen introductory emails, you can now create a Workspace. In seconds, all relevant documents, tasks, discussions, and team members are brought together. Everyone sees the same information, knows their responsibilities, and can communicate directly within the project’s context.

How Do M-Files Workspaces Work?

Let’s break down the mechanics of M-Files Workspaces and explore their core components.

Each Workspace has its own dedicated view within M-Files. This view is more than just a list of files; it’s a dashboard that provides an immediate overview of the project. This can include:

Key Documents: All files relevant to the project, automatically organized by their metadata.

Tasks: A clear list of assigned tasks, their statuses, deadlines, and responsible team members.

Discussions: A dedicated feed for project-specific conversations, eliminating email clutter.

Team Members: A list of collaborators with their roles and contact information.

Project Status: Configurable dashboards or reports providing quick insights into progress.

When you create a Workspace, you define its purpose through metadata (e.g., “Project Name,” “Project Manager,” “Start Date,” “Client”). This metadata then intelligently links all associated documents and objects to that Workspace. M-Files can automatically create dynamic views within the Workspace based on metadata, such as “Documents Awaiting Approval,” “Tasks Due This Week,” or “Meeting Minutes.”

Workspaces bring together the essential elements of team collaboration.

Document Co-Authoring: For documents stored in M-Files (or connected via external repositories), teams can co-author simultaneously while tracking all changes.

Task Management: Assign tasks directly within the Workspace, set deadlines, track progress, and link tasks to specific documents or discussions. This keeps project tasks transparent and accountable.

Discussion Threads: Move conversations out of email inboxes and into dedicated discussion threads within the Workspace. This ensures all relevant dialogue is preserved in context with the project and its documents.

Notifications: Team members receive automatic notifications about new documents, assigned tasks, or discussion updates, ensuring everyone stays informed.

With all these new features, you may be worried about how Workspaces will affect your M-Files user experience. Don’t worry: Workspaces are integrated with all the M-Files features you know and love. For example, you can link Workspace documents and tasks to existing M-Files workflows and apply granular security permissions to the Workspace itself and its contents.

How to Use M-Files Workspaces: A Practical Guide

Setting up and using an M-Files Workspace is intuitive through the familiar M-Files interface.

Access M-Files: Open your M-Files desktop client, web client, or mobile app.

Navigate to “New”: Right-click in the desired location (or use the “Create” menu) and select “New Object.”

Select “Workspace” (or your custom object type): Depending on your M-Files configuration, you might have a specific “Workspace” object type or a more general “Project” or “Case” object that is configured to act as a Workspace.

Define Metadata: Fill in the essential metadata properties for your Workspace (e.g., Project Name, Client, Start Date, End Date, Project Manager, Description). This is crucial for its intelligent organization.

Assign Team Members: Add the internal and external collaborators who will be part of this Workspace. M-Files will automatically apply relevant permissions.

Create: Click “Create,” and your new Workspace is ready!

Once you’ve created the Workspace, you can begin adding content and activities:

Add Existing Documents: Drag and drop files from your desktop, network drives, or other M-Files locations directly into the Workspace view. M-Files will automatically suggest relevant metadata based on the Workspace.

Create New Documents: Use the “New Document” function within the Workspace to create new files (e.g., meeting minutes, project plans) directly within its context.

Create Tasks: Right-click in the Workspace or use the “New Object” function to create a “Task” object. Assign it to a team member, set a deadline, and link it to relevant documents.

Start Discussions: Initiate a new discussion thread within the Workspace view to communicate with your team about specific aspects of the project.

Link External Content: If you have files stored in connected external repositories (like SharePoint), you can “bring them into” the Workspace view without moving them, maintaining a single point of access.

What are the Benefits of M-Files Workspaces?

M-Files Workspaces offer a plethora of advantages specifically tailored to the needs and challenges of SMBs.

Enhanced Project Management: All project-related information—documents, tasks, discussions, contacts—resides in one logical place. Project managers and team members gain a clear, real-time overview of project status, individual responsibilities, and upcoming deadlines. What’s more, by consolidating project management within M-Files, SMBs can potentially reduce reliance on standalone, often expensive, project management software licenses.

Increased Efficiency and Productivity: With everything related to a project in one Workspace, employees spend significantly less time searching for information. New team members can quickly get up to speed on a project by simply accessing the relevant Workspace and reviewing its history of documents, tasks, and discussions.

Stronger Governance and Compliance: Granular permissions ensure that sensitive project data is only accessible to authorized individuals, a critical aspect for SMBs handling client data or proprietary information. With Workspaces, all project activities—document edits, task completions, discussion entries—are in the same spot, providing a comprehensive audit trail for compliance purposes.

The Future is Bright with Workspaces

M-Files Workspaces isn’t just a new feature; it’s a strategic enhancement that positions M-Files as an even more indispensable platform for SMBs. In an era where distributed teams and dynamic projects are the norm, having a single, intelligent, and secure hub for collaboration is a necessity.

By providing a structured yet flexible environment for every project, M-Files Workspaces empower SMBs to:

Execute projects with greater precision and speed.

Foster a more connected and informed workforce.

Maintain strong governance and compliance.

Unlock new levels of productivity and innovation.

If your small to mid-sized business is looking to elevate its collaboration game, streamline project delivery, and ensure all your valuable information is intelligently managed and easily accessible, then it’s time to explore the transformative potential of M-Files Workspaces. This is the next frontier in intelligent information management, and it’s built to help your business thrive. Contact us to discuss next steps!

Success doesn’t come from chasing every shiny new tech trend or launching sweeping digital transformations without first strategizing. Success comes from streamlining systems, empowering teams, and building a resilient business.

In this blog, we’ll go over four actions that are key to successfully modernizing your manufacturing company—even in the midst of disruption.

#1: Strategize First

For manufacturers operating with lean budgets and limited IT capacity (i.e., most manufacturers!), modernization must be deliberate. You need targeted upgrades that deliver real value. That could mean replacing outdated systems that hinder productivity or consolidating overlapping tools that drain resources without meaningful ROI.

Modernization often starts with optimizing what’s already in place. Review your systems not just for technical debt, but for alignment with your business goals. Begin with high-impact wins like improving shop floor visibility or automating manual tasks before diving into large-scale transformations.

Equally important is knowing when to hit pause. Not every initiative deserves to be carried forward just because it once had momentum or executive support. Every investment should be measured against strategic relevance and scalability, both in terms of size and technological innovation. Don’t let sunk costs steer your strategy. Success should be measured by tangible outcomes like reduced scrap, improved throughput, or enhanced customer experience.

#2: Streamline Data

Years of tech layering have left many manufacturers with bloated tech stacks and fragmented systems. Before you implement yet another software solution, focus on eliminating redundancies, integrating systems, and cleaning up old or duplicate data.

This work clears the way for new technology. For example, the success of an AI implementation depends on the strength of your data infrastructure. AI doesn’t truly create anything from scratch—it mimics the data it has been trained on. Functional AI is only possible if it has clean, connected, and accessible data to work with.

#3: Integrate Systems

In an industry where operations span across production lines, supply chains, inventory systems, and customer interfaces, disconnected tools can create bottlenecks, data silos, and inefficiencies. Integration allows these systems to communicate seamlessly, providing a unified view of operations and enabling real-time decision-making. When data flows freely between platforms, manufacturers gain visibility into everything from machine performance to customer demand, which is essential for staying agile in a volatile market.

Beyond visibility, integration streamlines workflows and reduces the burden of manual data entry and reconciliation. Teams no longer need to duplicate efforts or rely on spreadsheets to bridge gaps between systems. This not only improves accuracy and consistency but also frees up time for employees to focus on higher-value tasks.

But it’s not just internal integration you need to consider. Modern manufacturing involves suppliers, logistics providers, marketplaces, and customers. Integrated systems also foster collaboration—both internally across departments and externally with suppliers, logistics partners, and customers. When everyone is working from the same data foundation, coordination improves, errors decrease, and responsiveness increases.

Are APIs and middleware enabling collaboration or creating bottlenecks? Are vendor systems integrated for real-time visibility, or are you still chasing updates manually? You may need to review contracts and partnerships to ensure they support speed, flexibility, and shared success.

#4 Prioritize Agility

The most resilient manufacturers are searching for agility, not just stability. Agile organizations can pivot quickly, adapt processes, and seize emerging opportunities without derailing operations. This flexibility enables faster decision-making, more resilient planning, and smarter resource allocation.

Agility helps manufacturers respond to market volatility, innovate with confidence, and maintain continuity even under pressure. It’s not just about speed—it’s about aligning people, technology, and strategy with your company’s mission. Modernization isn’t a one-time event that leads to a perfect operation; it’s a continuous process. A business that is agile and flexible can meet the demands and challenges of the future.

We’re Here to Help

In the last year, AI has gone from a novelty to the norm in business software. Businesses are seeing vast productivity increases and greatly enhanced accuracy through the power of AI. AI is now embedded in document management systems, ERPs, and workflow engines. Integrated AI is now bridging gaps across on-premises and cloud systems, enabling real-time, automated workflows across complex IT stacks without full infrastructure overhauls.

But the biggest change in workflow automation is just beginning: the switch from “smart” to “self-driving” AI workflows.

Smart AI Workflows

Think of smart AI workflows as AI‑enhanced assistants inside a process. They combine automation with AI decision‑making to improve efficiency. Smart workflows follow a defined process flow in which they use AI models to make context‑aware decisions (e.g., routing a support ticket based on urgency). They can learn from data to improve over time but still operate within guardrails. Humans design the flow and step in for exceptions or approvals.

An example of a smart AI workflow would be a customer service workflow that automatically categorizes incoming emails, suggests replies, and escalates complex cases to a human agent.

Self-Driving AI Workflows

Self-driving AI workflows are autonomous AI agents that can plan, decide, and act without constant human oversight. They use multi‑step reasoning and planning to achieve objectives. They continuously assess the situation and adapt the process in real time, which means they can handle unstructured data, ambiguous goals, and changing conditions themselves.

Human involvement is minimal: humans set the goal, the AI figures out how to get there.

An example of a self-driving AI workflow would be an agentic AI that manages an entire IT incident response—detecting the issue, diagnosing the cause, applying fixes, communicating with stakeholders, and updating documentation without being told each step.

Which Is Right for You?

Just because self-driving AI is more advanced than smart AI doesn’t mean that it’s always the right choice.

Smart AI workflows are predictable, easier to control, and generally lower risk because humans remain in the loop for exceptions and approvals. Therefore, smart AI workflows are easier to adopt, especially in regulated industries or organizations taking a gradual approach to AI integration. However, their adaptability is limited, and they can still be slowed by human bottlenecks, which means the efficiency gains are incremental rather than transformative.

Self‑driving AI workflows, on the other hand, offer huge efficiency and scalability benefits, freeing humans to focus on strategic oversight rather than task execution. But the tradeoffs include higher risk exposure, the need for strong governance and monitoring, and a significant cultural shift toward trusting AI with mission‑critical decisions. These workflows also depend heavily on high‑quality, well‑governed data to perform effectively.

In essence, smart AI workflows are best suited for organizations prioritizing control, compliance, and gradual change, while self‑driving AI workflows are ideal for those ready to embrace rapid transformation, provided they have the governance, data infrastructure, and cultural readiness to support it.

Nowadays, many businesses devote significant time and resources to content management. But what’s the best strategy to pursue? There are many available approaches to content management (and software to go along with each), but today we’re focusing on only one: enterprise content management, or ECM. We’ll go over what it means, the difference between ECM and other content management systems, challenges and strategies for effective ECM, and the benefits of ECM for your business.

What is ECM?

ECM encompasses both an approach to content management as well as a range of software solutions that enable that approach. The main goal of ECM is content centralization: taking content from throughout the business and keeping it all in one place. At its best, ECM covers the entire content lifecycle, from creation to archival.

An ECM system usually has the following components:

Content capture: A way to bring content into the system, whether through scans, emails, or automated data capture.

Organizational structure and storage: A centralized place to store active files, organized in a specific pre-defined structure.

Archive: A way to store inactive content that saves space but still allows for access as needed.

Delivery: A way for employees to access content.

Modern ECM systems can store anything from documents to emails, presentations to graphics, audio to web content. The best ECM systems can store both structured and unstructured data.

What Makes ECM Different?

An ECM system shares certain features with other content management tools. To make things more complicated, most of those other tools also have three-letter acronyms! Let’s outline the differences:

Document management system (DMS): A DMS stores documents such as spreadsheets, Word documents, and PDFs, while ECM stores all types of content.

Content management system (CMS): A CMS manages content for both public-facing and internal websites, while ECM manages internal business content.

Enterprise resource planning (ERP): An ERP system manages and automates internal business processes, while ECM manages the data that supports those processes.

Customer relationship management (CRM): A CRM system focuses on customer data and interaction records, while ECM manages data across the organization.

Digital asset management (DAM): A DAM system focuses on rich media like graphics, videos, and images, while ECM manages data across the organization.

Business process management (BPM): BPM tools standardize and automate processes across the organization, while ECM may include BPM tools to help organize the data it stores.

While the above list looks a little like alphabet soup, the important takeaway is that ECM systems have a broader scope than most other content management systems—both in terms of how much content they store and what type of content they store.

ECM Challenges

Of course, in order to implement an ECM system, you must overcome a few challenges. In the first place, you must consider your company’s unique needs when it comes to information security and compliance. Certain fields like healthcare or finance may require stricter data protections and compliance requirements, and not all ECM systems are created equal in this area.

Content sprawl and scalability are two more challenges to be aware of. ECM systems must be organized and have clear governance policies from day one if they are to function well. As the amount of content in the system increases, governance or organization problems will also increase.

Another major challenge is integration. Since ECM involves content from across an entire business, it’s crucial that the ECM system is integrated with whatever other software is already implemented within your business.

Efficient ECM in Practice: M-Files

What does an ECM system really look like? For a great example of an efficient, powerful ECM system, look no further than M-Files. M-Files stores content—both structured and unstructured—from across a business and organizes it according to metadata. With M-Files, you can use an AI-powered interface to search for, edit, collaborate on, and control documents and content without funneling that content into data silos. M-Files also has powerful automation capabilities, from approval workflows to OCR to metadata creation.

M-Files addresses each of the challenges outlined above by using a metadata-driven, AI-powered approach that simplifies ECM, enhances compliance, and improves user adoption. For compliance and security, M-Files provides automated audit trails, version control, role-based access, and encryption, making it easier to meet regulations like HIPAA, SOX, and ISO standards.

Unlike traditional ECM systems that rely on rigid folder structures, M-Files organizes documents based on what they are rather than where they are stored. This eliminates the problem of content sprawl and ensures employees can quickly find the right version of a document without wasting time searching across multiple repositories. Additionally, M-Files scales effectively to handle growing volumes of unstructured data, whether deployed on-premises, in the cloud, or in hybrid environments.

To tackle integration challenges, M-Files connects seamlessly with existing business applications such as ERP and CRM systems, allowing organizations to manage content without disrupting established workflows.

By combining intelligent search, automation, and strong governance, M-Files ensures organizations can overcome the typical hurdles of ECM adoption while driving productivity, collaboration, and long-term digital transformation.

Benefits of ECM through M-Files

When a company can overcome the challenges of ECM, many benefits will follow. Various studies by Forrester and IDC have measured the ROI of ECM systems to be anywhere from nearly 300% to over 400% over a span of multiple years. Here are just a few of the benefits you can expect from a properly-implemented modern ECM like M-Files:

Elimination of information silos: ECM breaks down barriers between departments by connecting content across ERP, CRM, and other systems. Employees can find whatever documents they need through AI-powered search functions.

Improved compliance and security: While compliance can be an initial challenge, a modern ECM like M-Files can improve compliance and data security by providing audit trails, version control, and role-based permissions to meet regulatory requirements.

Enhanced collaboration: Because ECM systems centralize data, teams can work on the same document simultaneously with real-time updates and version history.

Workflow automation: The best ECM systems include workflow automation that can help streamline approvals, notifications, and task assignments, reducing manual bottlenecks.

Cost savings: ECM systems reduce paper use, storage costs, and inefficiencies tied to manual processes. In addition, ECM systems save hours of employee time previously spent on searching for content.

Risk management: ECM systems ensure secure backups and provide disaster recovery options for critical documents. The security features of a modern ECM like M-Files also guard against data breaches. You can also automate retention requirements so that the system will delete records when needed.

Ready to Get Started?

Maybe you’re in the midst of a so-called “upgrade” that’s already gone way over budget in both time and money. Maybe your ERP seems to be making your work harder, not easier. All these are signals that it may be time for an upgrade.

In this blog, we’ll go over what we mean when we call an ERP a “legacy” system, the warning signs that your ERP is holding you back, and how to go about looking for a new or upgraded system. Let’s get started!

What Does “Legacy ERP” Really Mean?

To begin, it’s important to understand what “legacy ERP” really means. Legacy ERP systems are old software solutions that emerged during a time when enterprise software was designed to operate as a self-contained solution. Legacy systems often run on proprietary databases and are written in programming languages or frameworks that are no longer widely supported. Because they have rigid structures, even minor changes—like adding a new module or adapting to a regulatory update—can require costly and time-consuming upgrades. This makes business agility almost impossible.

Legacy systems are also frequently hosted on-premises, meaning businesses are responsible for managing servers, backups, security, and hardware upgrades. Legacy ERP systems often cannot integrate with modern tools, especially cloud-native services like CRM platforms, advanced analytics solutions, or AI tools. Many legacy ERPs lack standardized APIs or integration frameworks, so integrating external systems is a major technical hurdle.

All in all, while legacy ERP systems represented a giant step forward technologically at the time they were created, today’s pace of innovation and change has left them behind.

The Consequences of Relying on a Legacy ERP

In today’s business environment—where speed, data accessibility, and adaptability are paramount—these outdated systems become bottlenecks. They constrain innovation, prevent real-time decision-making, and hinder digital transformation. Companies stuck with legacy ERP often find themselves building awkward workarounds or investing heavily in middleware just to extract usable insights. Relying on a legacy ERP often results in employee frustration, information silos between departments, and security risks. As the world of technology develops at a breakneck pace all around us, your company’s software needs to develop with it.

4 Signs You May Have a Legacy ERP

How do you know if your ERP has become a legacy system? Here are four warning signs to watch out for:

Your employees are frustrated instead of pleased with the system. This frustration may be spoken aloud, but it will likely also appear in their actions: employees may begin to resort to manual workarounds or personal spreadsheets to keep track of data. Remember, almost everyone will use the tools that make their job easier. If your employees don’t use your ERP because they don’t see your ERP as making their jobs easier, something needs to change.

Rapid growth causes system malfunction or lag. Business growth is usually a good thing—but unfortunately, it can come with growing pains. If your ERP begins to struggle, lag, or malfunction when orders or data quantity increase, you may need to upgrade or replace your system. You need a solution that grows with your company and can scale easily.

Your software can’t handle new things. If your company expands its operations to a new location, market, country, or industry, your ERP needs to keep up. In addition, you may want to invest in new software like AI or a CRM, and these must be integrated with your ERP in order to have the best outcomes. If your ERP cannot handle new operational functions or compliance needs—or if the upgrades required to do so are costly and time-consuming—the system will rapidly become a hindrance rather than a help.

You see data silos emerging. Eliminating data silos is the whole point of an ERP! If various departments stop putting data into the ERP because it’s too confusing or bug-ridden to use, you’ve got a problem on your hands.

Do any of these warning signs sound familiar? If so, read on: there’s a solution!

Replacing a Legacy ERP: Where To Start

Once you’ve decided that your legacy ERP has outlived its usefulness, it’s time to decide on a new system. In some cases, you may just need to upgrade to the newest offering from your ERP of choice. For instance, many of our customers have upgraded from Epicor Enterprise to Epicor Kinetic to take advantage of Kinetic’s many new features, including extensive AI capabilities. However, in other cases, a complete replacement may be necessary.

Whether you end up replacing or upgrading your system, there are several important guiding principles to keep in mind:

Solve problems: Your goal throughout the ERP implementation process should be to solve specific problems your employees and company face. The goal isn’t to have the newest, fanciest, or most elaborate system. The goal is to find the solution to your business problems.

Make it measurable: Decide how you’ll measure whether these problems have been solved. Putting numbers to the problem and the solution allows you to not only justify the implementation to other company executives but also discover whether the solution you implement is actually working.

Work with users: Above all, it’s important to keep the future users of the ERP system involved in all stages of this process. Instead of assuming that you understand the issues they face, ask them! Solicit feedback regularly and invest heavily in user training. You won’t see a good ROI on your ERP unless your employees actually use the system.

That said, we do recommend a few features that can usually solve problems across many different companies: embedded AI features, real-time data capture and exchange, and integration capabilities with your other software systems. Without access to these tools, you may not get the most out of your new ERP. In addition to their inherent utility, the presence of these features indicates that the ERP is being actively updated and supported in response to new technology developments.

For more on how to successfully implement business software, check out our blog on DMS implementation. While the software system is different, the advice translates to many different types of implementations.

Experience ERP Excellence with Epicor

If you’re looking for a modern, AI-enabled ERP system, Epicor may be right for you. Epicor has embraced AI in its products, coining the term “cognitive ERP” to describe how their software uses AI to create actionable insights.

Here at Laminin, we’re passionate about your software success.
