That’s why, if you’re serious about making your business more data-driven, you need a “data champion.” This person might be you, they might not, but they need to be both committed to and compensated for the role. A data champion acts as both an advocate and a translator for data-driven culture. They actively promote best practices, ensure data integrity, and demonstrate the tangible value of analytics to stakeholders who might otherwise be skeptical.

The data champion must be willing to (and have the authority to) collaborate across departments. So now you’ve got meaningful metrics. Congrats! That’s a huge step forward. But just having the data isn’t enough—it’s got to be used! Data is only useful if the people in charge actually see it and understand it. You can track every machine and shipment perfectly, but if those insights stay trapped in a messy spreadsheet or a single department’s inbox, they’re basically useless. Good reporting isn’t about dumping more numbers on someone’s desk; it’s about using clear visuals, informative reports, and user-friendly dashboards to show exactly what’s going on throughout your business.

Now, a word of warning: making all these changes doesn’t happen overnight. While the “move fast and break things” mantra works for some startups, established businesses usually rely on intricate, interconnected systems where one small adjustment can have massive downstream consequences. We’ve just debuted MFSQL Release 5, which includes updates across the board, but the new release focuses primarily on improvements to the MFSQL Context Menu. Read on to find out more about MFSQL and how its context menu allows for seamless and simple software integrations.

An Introduction to MFSQL

 MFSQL is a database connectivity tool that provides seamless synchronization between M-Files and the SQL server. This means that your developers can access and interact with M-Files metadata through SQL without having to use the M-Files API. MFSQL provides control over multi-layered processing and transferring of M-Files object information. This control allows for better reporting, data manipulation, and integrations.

MFSQL is made up of two main modules. First, the Data Exchange and Reporting Connector allows you to manipulate M-Files data, combine that data with external data, and create reports using BI analytics software. Secondly, the Integration Connector automates processes, relates data, and powers the SQL integration capabilities.

The MFSQL Context Menu

 The MFSQL context menu allows either a user or an event in M-Files to trigger an SQL operation (both cloud-based and on-premises installations allow this). In the MFSQL Context Menu, a user can select an option from a customizable menu in order to choose an operation that they want to complete. An action can also be activated by a workflow change or a particular event within the system. Whatever action is triggered can be specific or generic: it can use particular object-related metadata in its processing, or it can perform a generic operation that isn’t specific to a particular object or collection of objects.

What Can the Context Menu Do?

 The context menu is available in both the Data Exchange and Reporting Connector and the Integration Connector. In the Data Exchange and Reporting Connector, it can help a user clean data, combine M-Files data with external data, and create reports using any BI analytics software. Within the Integration Connector, the context menu allows a user to integrate any third-party system, automate background processes, and relate data from multiple sources.

For example, the context menu might trigger a process update of an object immediately after check in, which ensures that it will be included in your reporting and workflows. Or, when a contract is finalized, the context menu may also automatically create a customer record in the ERP system and change the class of the object to a project.

New Features in Release 5

MFSQL Release 5 improves user-facing operations via UIX v2 Context Menu, Web API components, workflow state actions, event handlers, and MFSQL Connector dashboards (desktop and web). These require a direct vault-to-SQL connection and deliver better automation and integration.

In addition, Release 5 supports and is certified for newer environments, including M-Files version 25.6+ and their updated Web and Desktop clients. It ensures full operation in Windows Server 2022+, SQL Server 2022+, and especially M-Files Cloud setups.

Release 5 adds capabilities for better integrations, metadata management, reporting, and third-party connectivity, such as overcoming some limitations of M-Files External Connectors. The installer handles VAF registration, database setup, optional UIX v2/Web API deployment, and more in a streamlined way.

2026, Microsoft officially announced that it is retiring several legacy SharePoint Online records and information management features in favor of Microsoft Purview.

What is Microsoft Purview?

Microsoft Purview is the unified “command center” for your organization’s data governance, security, and compliance across your entire digital landscape. It works by creating a comprehensive data map that scans not just Microsoft 365, but also AWS, Google Cloud, and on-premises servers to identify exactly where sensitive information lives. It uses sensitivity labels to encrypt files and prevent unauthorized sharing, ensuring that confidential data remains protected regardless of where it travels.

In the era of Microsoft 365 Copilot, Purview acts as the essential guardrail, preventing AI from accidentally surfacing restricted content to the wrong users by enforcing strict, metadata-driven permissions. By integrating Purview with M-Files, you gain a robust layer of “invisible” compliance, where the system protects data in the background while your team focuses on their actual work. It is the engine that ensures your data is discoverable for those who need it, but completely invisible to those who don’t.

Native Content, Unified Boundaries with M-Files and Microsoft Purview

When M-Files stores a document, it now resides within the Microsoft 365 security boundary.

Why does this matter? Because it means Microsoft Purview can “see” and protect that content as if it were a standard SharePoint file. M-Files describes this as a key enabler for stronger, unified compliance. Instead of having two separate sets of security rules—one for your DMS and one for your M365 tenant—you now have a single, unified layer of governance.

This unified layer of governance allows organizations to apply Purview’s tools for:

In order to focus on the powerful features of Microsoft Purview, starting in April 2026, the following features of SharePoint will lose support and may disappear from the UI:

• Information Management Policies: The old-school site/library-level policies for auditing and barcodes.
• In-Place Records Management: The traditional “lock” icons and record declaration roles within libraries.
• Legacy Deletion Policies: Automated deletion rules based on outdated site-scoped criteria.

Microsoft is effectively forcing a migration from these outdated tools (originally designed for on-premises SharePoint 2013/2016) to the modern, cloud-native capabilities of Microsoft Purview.

For organizations still clinging to these legacy features, the M-Files/Purview integration isn’t just a “nice to have”—it’s a lifecycle-saving migration path. M-Files provides the modern front-end that makes this transition painless for users, while Purview handles the backend heavy lifting that Microsoft now requires.

If your company uses these legacy SharePoint features, you may be asking, “what now?” Here is your transition checklist to ensure a smooth handoff from legacy SharePoint to the M-Files/Purview ecosystem. This may not cover every single change you need to make, but it’s a great starting point for your own migration plan.

Phase 1: The “Digital Triage”

• Identify Legacy “Grit”: Audit sites for features retiring in April (see above for a list).
• ROT Analysis: Delete or archive redundant, obsolete, and trivial data. Digital hoarding is the enemy of a clean Purview implementation.
• Permission Audit: Use the “Restricted SharePoint Search” tool to see what content is overshared. This is critical if you plan to use Copilot after the move.
• Licensing Check: Ensure you have the necessary Purview licensing (E3 for basic retention, E5 for automated record versioning and advanced eDiscovery).

Phase 2: Architecture & Mapping

• Define M-Files Classes: Map your legacy SharePoint content types to M-Files Classes (e.g., “Legal Contract,” “Project Invoice”).
• Map Metadata to Labels: Create connections between M-Files metadata and Purview labels.
  • For example, an M-Files property Project Status: Closed should trigger a Purview Retention Label of 7 Years Archive.
• Sensitivity Label Design: Define 3–5 core labels (for example: Public, Internal, Confidential, Highly Confidential) in Purview to handle encryption and sharing restrictions.

Phase 3: Technical Configuration

• Purview Label Publishing: Publish your retention and sensitivity labels to the modern SharePoint sites where M-Files will reside.
• M-Files Connector Setup: Configure the M-Files integration to use your SharePoint tenant as the primary storage (SharePoint Embedded).
• Auto-Labeling Simulation: Run Purview auto-labeling in Simulation Mode for 1–2 weeks to catch false positives before enforcement.

Phase 4: The Migration Sprint

• Pilot Migration: Move one department first. Verify that M-Files workflows trigger correctly and Purview labels stay attached.
• Bulk Migration: Use the M-Files Importer or SharePoint Migration Tool. Ensure metadata is preserved during the migration.
• Record Declaration: For files that must be “Locked,” ensure the transition to Purview’s Records Management (which replaces legacy In-Place Records) is verified.

The Sunset Timeline: Important Dates for Your Calendar

Epicor has laid out a phased approach to sunsetting on-premises releases. Understanding these deadlines is the first step in avoiding a last-minute scramble. Below are the dates for Epicor Kinetic.

• May 2026: With the release of Kinetic 2026.1, Epicor officially retires the Smart Client. All Epicor customers upgrading to this release or later will need to transition users to the browser-based client using the Kinetic user interface if not already adopted in an earlier release. This applies to all Epicor deployments.

• January 2028: Epicor has tentatively scheduled the release of version 2028.1. This will be the final, fully functional on-premises major release. Major releases, currently done twice per year, are where Epicor incorporates new functionality or “innovation” to the Kinetic product line. All future innovation, including AI-driven tools and other major functional enhancements will only be delivered only in the cloud start with version 2028.2.  

• December 31, 2029: Active Support for 2028.1 ends consistent with Epicor’s current support lifecycle policy.

• January 1, 2030: Sustaining Support begins. This means no new bug fixes, security patches, or compliance updates for 2028.1 and prior, only limited assistance for existing issues.

The key dates for Prophet 21 and BisTrack vary from Kinetic. Consult Epicor’s website for details on those products.

For Epicor, maintaining two separate codebases (Cloud and On-Prem) slows down innovation. By moving to a cloud only architecture, they can deploy updates faster and integrate advanced technologies like Epicor Prism (their generative AI agent), Epicor Grow AI, and others more effectively.

Staying on-premises past version 2028.1 means committing to maintenance, not growth. 5 Steps for SMBs to Prepare for the Switch

Most long-term Epicor users have heavily customized their systems, and this can be a significant hurdle to switching to the cloud. Customizations requiring server-side code and related files are not permitted on Epicor hosted servers for security and maintenance reasons. Inventory all customizations and assess the use case(s) they were developed and cut any that are no longer required. Then determine the impact of migrating remaining customs to the cloud environment. Epicor 2023.2 includes a Configuration Upgrade Dashboard that can also be a helpful starting point.

Change in Licensing: On-premise perpetual licensing will change to the SAAS (software-as-a-service) model.

2. Data Governance Check-In

Now is a great time to analyze your current data governance policies and strategies and consider implementing changes. In a project like this, most stakeholders will be motivated to produce cleaner, more secure, and more organized data.

3. Network and Infrastructure Assessment

When your ERP moves to the cloud, your internet connection becomes your most critical piece of infrastructure. Conduct a stress test on your current bandwidth and consider investing in a secondary “failover” internet connection (like a 5G backup or a different provider). In addition, you may want to invest in new software like AI or a CRM, and these must be integrated with your ERP in order to have the best outcomes. • Make it measurable: Decide how you’ll measure whether these problems have been solved. Putting numbers to the problem and the solution allows you to not only justify the implementation to other company executives but also discover whether the solution you implement is actually working.
• Work with users: Above all, it’s important to keep the future users of the ERP system involved in all stages of this process. Instead of assuming that you understand the issues they face, ask them! Solicit feedback regularly and invest heavily in user training. You won’t see a good ROI on your ERP unless your employees actually use the system.

That said, we do recommend a few features that can usually solve problems across many different companies: embedded AI features, real-time data capture and exchange, and integration capabilities with your other software systems. Without access to these tools, you may not get the most out of your new ERP.
