Does SharePoint pass the test?

Microsoft SharePoint has claimed to solve team collaboration problems. Here are a few comparisons of a structured implementation of Sharepoint versus simpler wiki solutions.

"We're planning on using SharePoint for formal office documentation and
a wiki for more malleable IT documentation--the wiki seems easier to
change. I can administer a wiki largely without a manual; for
SharePoint I need a book." - Joel on software Discussion Group

"My experience with SharePoint is that it ends up being a fancy shared
drive or file dumping ground with not nearly so much extra value as you
would get on a Wiki. Most of the implementation I've seen end up having
a nicely organized directory structure but are still only glorified
file dumping grounds. If the wiki takes off, it turns into a more
collaborative space or community white board and I have not seen that
emerge on the SharePoint." - Road Warrior Collaboration

Michael Sampson has come up with a slightly different litmus test for SharePoint- a 7 point inspection

He sums up the test in access, location independence, real-time, calendaring, social features, action management, and auto-discovery. Take a look at the 7 Pillars whitepaper to see where SharePoint works and falls short for the enterprise.

AltSearchEngines introduces member forum (part of the ReadWriteWeb Network)

Today Near-Time announced a partnership with AltSearchEngines to
extend its leading web property with subscription based forums. CEOs
of search engine companies, AltSearchEngine readers, and
internationally based advisors can participate in private user-driven
communities, enabling interaction among peers in the search engine
community. Unlike current AltSearchEngine offerings, these new
communities require membership access, and focus on high value content
and conversation.

As a member of the ReadWriteWeb network, AltSearchEngines
publishes a weblog with coverage of nearly every alternative and niche
search engine - daily and globally. Their mission is to reveal "the
most wonderful search engines you've never seen."

ReadWriteWeb is ranked among the top 20 blogs worldwide according
to Technorati. "We hope to become a one-stop shop for those interested
in alternative search engines," said Charles Knight, editor of
AltSearchEngines. "Currently, visitors to AltSearchEngines can only
read our posts, but for 2008, we want to take it to the next level.
The goal is to provide search engine CEOs with a secure place where
they can communicate and interact with each other. I made a diligent
search of the forum products available, and Near-Time was the clear
winner," continued Knight.

"The new, extended AltSearchEngines forum brings together two
critical components of Near-Time online communities, paid content and
collaboration. We're pleased to enable new business models and revenue
sources for AltSearchEngines," said Reid Conrad, CEO of Near-Time.
Powered by Near-Time, the interactive forums will allow members to
further engage in discussion and questions related to alternative
search engines.

At launch, two separate forums will leverage Near-Time Premium to
charge for varying levels of subscription access. AltSearchEngine
forum memberships will begin at $5.99/month for readers - or a special
introductory rate of $49 per year and an equally appealing
introductory rate of $49/year for Search industry authorship. Forum
memberships are available immediately at
http://members.altsearchengines.com/join

E-mail: finally on a need to know basis!

Most of us made a New Year's Resolution this year. Keep the e-mail inbox clean, stay ahead of work, take more vacation, and maybe exercise before 7AM.

We jumped ahead and wanted to make 2008 painless and trouble free by relieving the pains of e-mail alerts and notifications.

E-mail notification from Near-Time now makes it easy for you to know
when content in a space has been updated or modified. As a space
member, you can have the following email notifications available to you
in each space:

Digest - A digest is an email summary of activity within
a space. By default, the digest is compiled and sent out each Sunday. A
space manager has the option to set the day of the week digests are
sent out to members, and can set the frequency to daily instead of
weekly.

Alerts - Alerts are emails that summarize new
or updated content in a particular section (news (blog), pages (wiki),
tasks, files, forums, topics, etc.) Alerts can also be sent when there
are updates to individual items.

See more about this update in our public space

Organizing collaboration through mutual self-interest

Could not generate link to image with ID: Social networking sites are often blocked by corporate IT and upper management. What do we have to learn? Are we actually planning our social calendar and losing productivity, or do we need an avenue for internal discovery?

Strengthening social ties

Sociologist Mark S. Grannovetter published a theory in 1973 (The Strength of Weak Ties) exploring phenomena of small-scale interactions that yield important large-scale patterns. In a survey of people that recently changed jobs in the Boston area, he discovered that 55.6% of respondents received the job tip from someone they saw less than twice a month and 27.8% said they saw that person less than once each year. He concluded that, "it is remarkable that people receive crucial information from individuals whose very existence they have forgotten." Hmm. The value of social networking.

Formal Networking for mutual self-interest

- Can employee A share information with employee #_____ informally across the "corporate graph"?

According to the McKinsey Quarterly review of Informal Employee Networks ,

"Professionals who want to work horizontally across an organization currently find themselves forced to search though poorly connected organizational silos for the knowledge and collaborators they need. In many companies these matrix and other hybrid organizations have become dysfunctional. The symptoms include endless meetings, phone calls, and e-mail exchanges, as well as confused accountability for results."

Busting the Silos & Creating the Network

Tools to create the network include all the standard collaborative pieces that we've been talking about for the "Interactive Enterprise." Andrew McAfee offered his suggestions for the leader in each category:

Collective Success

Much has been written about Google's 20% time for all employees. At first glance, this would seem that those employees are distracted from the other work. In practice, Google engineers will spend weekends and time well beyond the 20% of the workweek to develop new products for the company.

As a result, creative engineers and innovators are developing half of Google's new search products out of that 20% time.

Every company, no matter the size, has large numbers of thinking-intensive and creative employees. The winners will be the organizations that enable those groups to create more profits by putting their collective mind power to use.

I am excited to inform you of a major Near-Time update that provides
integration with widgets and other Web services. This will enable you
and your team to create "user generated solutions" on the fly. A widget
is a micro-application that you can embed in your Near-Time wiki or
weblog.

Enhancements include:

real-time chat from Meebo, Gabbly, and Skype widgets

video and widget aggregators

polls and surveys from SurveyGizmo, Poll Daddy, and Wufoo

maps and mash-ups from Google and Trippermap

news and information from Yahoo!

Most bloggers find that if their post has a digg, stumbleupon, or del.icio.us (delicious) tag, the traffic spike runs anywhere from 100% to 5,000% over other posts. Here are some of the ideas I had. It’s just a start.

Be visual. Use images and titles that reflect uniqueness of your idea

Mention the iPhone. Or better yet- demo on it.

Use a whiteboard. SEOMoz and Common Craft have mastered this approach

Link in to other blog posts you’ve done before

Be orignial. Find interesting trends or mash-ups that are useful to your community

Don’t be the first. Just focus on connecting the dots

Use sites like stumbleupon, delicious, newsvine, digg, and reddit because your readers will follow suit

From CIO Insight- "Collaboration: Superhero in the Cubicle"

Near-Time was mentioned in a CIO Insight article today. This quote sums it up nicely:

As the Internet blossoms into Web 2.0, some workers and managers are discovering new tools to cope with task and data overload: Flexible tools designed for the myriad challenges knowledge workers face, not just for routine tasks. Tools that help better manage and prioritize work, rally the strongest team members for each job and use talent most efficiently. Tools that help deliver work and gather feedback. And perhaps most critical, tools that let only the essential information through the floodgates, in the most useful format.

Thanks to new collaborative tools, these employees have the power to do their jobs in a whole new way—a way that makes the best use of their time and their company’s resources. It’s hard to fault them for feeling a little like superheroes, capes rippling in the wind.

Netscout’s June Nugent is interviewed about the NetScout user group and their use of Near-Time. Read the full article on CIOInsight.com

Far-flung teams prove to be some of the biggest fans of these new tools. Take the folks at NetScout Systems, which makes integrated network performance management solutions. The company, which has some 3,000 enterprise customers around the planet, needed something to help users help themselves.

June Nugent, NetScout’s director of knowledge resources, realized that members of the company’s user group—network managers— didn’t have much free time on their hands. They needed an organized information source that could evolve as fast as their business needs did. But Nugent wanted something that would complement, not replace, its formal service channel.

That led her to Near-Time, a hosted service that can be used to build wikis and blogs, share files, create podcasts and handle RSS feeds. Near-Time’s principals had co-founded Extensibility, an XML solutions provider acquired by Tibco Software in 2002. Near-Time’s plans for corporate users range from $700 to 5,000 a year.

All plans include an unlimited number of wikis, blogs and other content tools for an unlimited number of users, but the highervalue plans include analytics, storage, bandwidth and other features as well.

Nugent’s team has used Near-Time to create tutorials on best practices and to facilitate training. Instructors use the tool to post preparatory work for classes, and students use it to post questions after the classes. "The result," says Nugent, "is a richer communication channel with our customers."

It’s important for companies to create new, informal channels between them and their users, "in no small part to help the former see what the latter needs and cares about," Nugent says. The Near-Time wiki tool helps NetScout do just that. "We are definitely extending our footprint for training," she says.

Five Keys to Successful Use of Collaborative Tools (Gartner)

Don’t Allow Anonymity: Chances for polite, productive collaboration are greater if users’ names and reputations are on the line.

Managers Must Manage Collaboration, Too: Even in Wikipedia’s free-flowing editing environment, super-users occasionally step in to resolve problems.

Dole Out Responsibility: A wiki-work ethic won’t develop overnight, but you can speed the process along by giving users a clear stake in its growth.

Think Wiki: Encourage users to think about the many ways they collaborate—formally and informally—every day.

Think About What’s Not Wiki: Not everything your company does is a candidate for collaboration. Set appropriate boundaries.

I saw an interesting piece in the NY Times Arts & Leisure section this weekend ("The Author Will Take Questions Now")
examining the go-to-market strategy for Amazon AND the Google Search Results Page (SERP).

The head web strategist at Harper Collins admitted she would rather have the author promote themselves online. It proves as a nice complement and the Publishing company can steer clear of the online marketing.

In response to this demand, Chris Anderson, the editor-in-chief of Wired, recently started another venture (http://www.booktour.com). BookTour.com is a site for authors to market their books online along with their book signing/reading schedule.

Is this the next chapter of the Long Tail? Anderson, in "The Long Tail", explains how Amazon matches its profits from the best-seller list with backlist of millions of books.

Authors want increased attention. When you don't make it into the Sunday Book Review- don't sweat. Maybe you can have your book announced instead on thousands of blogs, social networking sites, and Wikipedia!

For example, one article might bring 10,000 hits from the Book Review. By contrast, you need 100 hits from 100 other sites to reach the same amount of traffic for you book! And- as an added bonus... you might be in the top 5 for your target keywords on Google. Check out SEOMoz for more on Search Engine Optimization

Social Media and the Long-Tail of SEO

Using Search

I posted recently about the importance of using blogs for enhancing on line discovery. Another trend to take note of is how best to use Social Media sites and Search Engine Optimization for taking blogging to the next level. Here are some statistics on search:

Searches- July 2006

Choose the 2-3 word phrases

2 word phrases

28.91%

3 word phrases

27.85%

4 word phrases

17.11%

1 word phrases

11.43%

So now what? Optimizing your site for Google and Yahoo is more than just pushing one word keywords into your description and title tags. Within Blogs and Wikis, longer phrases are encouraged. The same goes with search. Longer headings and titles will generally yield better results when trying to compete for the top spot on Google.

Search bots look for a few main parts of the page for these 2 and three word phrases

Anchor Text – The visible part of a link i.e. Web2.0 Glossary

Headings- HTMLdefined headings that the search engines look for (i.e. H1, H2…). font size 90px will not matter.

META tags Descriptions within the HEAD section of an HTML document which are seen on the search page. And FYI- Google displays 165 characters.

Text Content 2-word and 3-word strings repeated in a body of text will enhance ranking. period.

Wiki A great SEO engine! Lot’s of content and lots of context. Why do you think Wikipedia was so succesful?

I-Open is using Near-Time as a platform to help leaders in business, education, economic development, workforce development, politics and philanthropy launch public Web sites, plan and manage projects and collaborate on content.

“Enabling online collaboration in the civic space is difficult because it’s heterogeneous,” noted Ed Morrison, Founding Partner of Cleveland-based I-Open. “We chose Near-Time because they are a company with a solid understanding of how different collaboration tools integrate. In regional economic development, the Near-Time platform changes the game, delivering simple yet powerful tools that accelerate collaboration across organizational and political boundaries. The platform’s flexibility and customization work well in everything from simple collaborations to complex publishing.”
Read the complete article here

The NYTimes.com launched their customizable RSS feed display today. It looks like a relatively similar play to MyNewsweekor AOL’s new recently launched widget-based page.

I think we can spot a trend. Traditional news services are leveraging the blogosphere and external feeds to aggregate information for their readers.

This is a valuable heads up display for content at a glance when you can see your weather, your e-mail (YahooMail or GMail), and a few of your favorite columnists.

Newsvine is one of the most popular Web 2.0 news aggregators and could have spawned this entire trend. Near-Time’s syndication feature is of a similar mindset of bringing content into your collaboration space.

So the take home point— the trend is here to stay.

Responding to the Complexities of Enterprise Software

How large is your IT department? Regardless of size, they are managing millions of lines of code specific to the organization. No one person could possibly know or maintain that complex and costly system. Cynthia Rettig recently outlined the costs and complexities of enterprise software in the MIT Sloan Management Review.

Costs for an IT department include

Maintenance- "70% to 80% of their budgets just trying to keep existing systems running"

Company Investment- 22% of total investment goes to IT

Risk- "75% ERP implementations were considered failures."SMR

Enterprise 2.0 is about the self-service web and making valuable communication happen quickly and allowing the maintenance of "software" to take the backseat. As I see it with large line-of-business implementations, the IT department simply signs off on the project without stepping in. Do they really want another collaboration tool to manage.

Two trends in self-service software are here to help:

Software-as-a-Service (SaaS):

Software that users purchase based on a subscription model (such as every quarter or every year). In most cases, SaaS involves software that is delivered via the Internet (also known as hosted software).

Leading analysts such as Gartner are predicting that within a few years over 25% of business applications will be delivered as a SaaS model vs. traditional licensing.

Architecture of participation:

A scenario where a community of users build a system (Tim O'Reilly coined the term in 2003) and is a critical part of Web 2.0.

Some businesses are using the power of architecture of participation. Near-Time enables the business professional to create these systems in minutes. Integrating other services such as Wufoo, Google Video, Open ID, and Hipcast allow for richer interaction within a collaboration environment like Near-Time.

Cambrian House enables people to take an idea for new software and put it to a vote. The network of developers, entrepreneurs, and investors, among others, selects the favorites and works to turn them into products. Even better, members who actively participate in the community of ideas earn shares in Cambrian House -- simply by commenting on business ideas, editing profiles or contributing code.

Visit their site to learn more.
