Comprehensive Guide to the Boulder / Denver Startup and Tech Scene

Weekly, I’m asked to have coffee or meet up to talk about the Boulder/Denver startup and tech scene. I’m flattered beyond belief that people reach out and think that I might be a good resource, and am happy that I live in such an open environment that believes in the giving their time generously. This is something that the Colorado community is known for and even has a #givefirst campaign.

In a lot of these meetings, I often repeat myself with the same resources, events and communities people should plug in to or support. Because I cannot meet with everyone right away, I wanted to create five solutions:

My Comprehensive Guide to the Boulder and Denver Startup and Tech Scene.

Join me at Boulder Open Coffee Club on the last every other Tuesday of the month at 8 am at Galvanize on Walnut.

Join me at Caffeinated Mornings on the first Friday of the month at 9 am at Madelife.

Participate with me at one of the many Meetups or Events listed below throughout the year.

Follow me on Twitter for the latest events, job openings, connections and occasional rants. Also follow the organizers or founders of these activities below as they are great resources too!

This is just my list, but I know I’m missing quite a bit. Please feel free to comment and add your favorite way to get involved, and I can update periodically. Use this list below to help find a job, spend your sponsorship dollars wisely, look for partnerships, find help for your startup, get published in media outlets and more. I’ll write a future post on personal branding and how to leverage the below to get a job or elevate your brand in the community. But don’t wait for that – go ahead and get involved!

*This is more skewed towards Boulder and heavy on tech and bicycles.

**Everything is hyperlinked below for more information.

Step-by-Step guide to a Re-engagement Campaign on any marketing automation platform.

Beyond just keeping your organization’s database clean, the ramifications of not having clean data can be felt by your finance team. According to research, businesses could be losing anywhere from 10-30% of their revenue on poor data. Your company’s poor data could be draining resources. But cleaning up your data is not as simple as asking people to update their information, or is it?

Many marketing automation software costs are based on emails you send or contacts in your database. If the emails you are sending aren’t even going to a valid email address, you’re not only wasting money, but also basing your research and trends on that bounced email address, which is the opposite of targeted marketing.

In this post, I want to demonstrate a step-by-step re-engagement campaign starting with how you should approach cleaning up your lead database.

Removing Duplicates

Now, normally the first step people would suggest in cleaning up a CRM is to check for duplicates. Nowadays it is really difficult to have duplicates of a contact in your database. If you aren’t already, be sure to match your prospect’s email to existing contacts in your database so you aren’t importing duplicates from the start. If you do have duplicates in your database, most software will allow you to merge contacts. Depending on how many contact duplicates you have, this will be the most intensive portion of your clean up process if there is not a batch edit function.

After you’ve identified duplicates and merged appropriately, you can create new lists or build your email campaigns from a specific segments. Some software will allow a search for inactive subscribers across all of your lits, others will only allow you to do it in specific list. Your segments or lists will consist of:

Unsubscribes/Opted Out

Bounced Emails

Haven’t opened email

Unsubscribes/Opt Out Contacts

The unsubscribed/opted out list is easy to deal with; before you delete these contacts, be sure to export them into a csv. If anything funny should happen upon deletion you will have a backup file to save your butt. Your unsubscribes/opted out contacts may in fact be customers. If you have your marketing CRM synched with your sales CRM, deleting these contacts from the marketing side may alter their information on the sales side. BE CAREFUL.

Most email softwares also provides a reason as to why someone opts out if the contact answers the question. You can then see the reasons in an export. It’s a good practice to understand why people are opting out so you can use that information to create better future email campaigns.

Also, look for inconsistencies or spikes in your data around opt outs. Did you experience 10x the opt outs after your holiday campaign? What content was in the campaign or not in your campaign that would result in that many opt outs? Is it out of the ordinary of what you typically send? Ask questions until you have some potential explanations so you can incorporate that information when conducting future email campaigns.

Bounced Emails: Hard and Soft

Depending on the size of your “Bounced emails” list and if you can view the type of bounce (soft or hard) we suggest running your list through a data cleansing tool we use called Experian. This tool checks your list for valid email addresses and provides more clarity as to why an email hard or soft bounces. It returns your list with hard and soft bounced emails as well as valid email address. You can get a free trial for 500 email addresses and after that free trial it is $100/500 emails.

You will receive a csv with three columns:

Do not email

Soft Bounced (Mailbox is full (over quota). Recipient email server is down or offline. Email message is too large.)

Hard Bounced (Recipient email address does not exist. Domain name does not exist. Recipient email server has completely blocked delivery.)

If your CRM allows you to see these without using Experian, even better! You will keep your soft bounced email addresses, and go through a re-engage campaign. Hard bounced email addresses should be removed from your database because keeping these emails in your database will only increase costs if you’re charged per contact and also affect your deliverability rates due to the email never getting through. Hard bounded emails will not get through because the domain name doesn’t exist or because the recipient is unknown. For example, the company you’re trying to reach is no longer in business or that employee no longer works there.

Contacts Who’ve Never Opened an Email

Identifying an accurate list of “Haven’t opened email” contacts should be based off of your company’s sales cycle. Each software is different in their ability to segment, so be as accurate as your software will allow. The general segment should be:

“Haven’t opened email in 90 days”

OR

“Campaign activity, did not open, any of the last 5 emails”.

In order to exclude new prospects from this list, be sure to add a date requirement for before your most recent campaign. For example, you don’t want to include someone who just signed up for your email campaigns within three months in a dynamic list to be removed from your database. You want to give them some time before they take no action and become inactive. Your list criteria might look like this:

“Last Email Clicked Date=30 days” or

“Last Email Opened = 90 days”, or

“Date Added | is before | a specific date”(choose a date prior to a recent campaign/email send or list import).

It is important to take your buying cycle into account when choosing the date you want to re-engage. You may have contacts that have not converted within 60 days, but your buying cycle maybe be 90.

What to Do Once Your Re-Engage Campaign List is Segmented Properly

Now you have your two lists (your unsubscribes have been removed already) ready for your re-engage campaign. A re-engage campaign does two things: it give your customers an easy way to engage with you again, and helps with your database clean up. In this email you should provide your contacts an easy way to unsubscribe, or update their preferences with an association to a persona.

After your send, wait two weeks and segment your email campaign into people who updated their preferences, people who did not open, and everyone else. Your contacts who updated their preferences re-engaged with you, and you were able to move them into a persona, which you now will be able to nurture with content that they actually want to see. People who did not open should be removed. Those that opened your email but did not engage should be treated cautiously and be in a list on their own. Keep these addresses for new product announcements, or other emails that may entice them to engage in the future with what information you currently know about their interests. You could keep them in a suppression list or could conduct a separate campaign all together just on this list.

After you have successfully cleaned up your database, you should either automatically be bumped to a low cost bracket or it’s time to warm up those negotiation tactics and see about getting a price reduction on your contract.

In Closing

Starting a re-engagement campaign is a great way to awaken stale contacts and clean up your system all in one. Be sure to have all the information before you begin one, or you could be removing/annoying your potential leads in the process.

Hope you enjoyed this step-by-step guide to re-engage your contacts.

Besides the obvious – only sending well-crafted sales emails to prospects that want to hear from you – there are a few tips that can significantly increase your outbound conversion rates. Outbound email campaigns get a bad rap, and many marketing and sales teams implement outbound in a very spammy way. Plus Inbound Agencies and those pedaling VERY expensive Inbound Software tools want you to believe that Outbound email will destroy the world because it takes money from their pockets.

If you cannot answer this question, you should skip implementing Outbound all together: “If I were in my customer’s shoes, would I be upset if a sales person emailed me about a product or service that truly could help me and my business do my job better, faster,….” or whatever value you provide. It’s all about empathy folks, and if you’re only thinking of your bottom line, then get out of marketing or sales completely and pursue a different career.

Maybe because I’m a marketer and am used to being sold to, I do from time to time take a sales call and actually make a purchase from an outbound campaign. I’ve done Outbound in both services and product businesses and saw drastically different results – causing me to stop outbound in one business and throttle it in the other.

But any business wanting to scale and certainly every sales team understands you have to have a holistic, well-rounded strategy to reach your customers. Depending on your product or service, we believe outbound should be a part of it. Interruption marketing can be a useful strategy when it comes to educating your potential prospects, especially if you already know that they would make great candidates for your product or service. After you find the right prospects and obtain as much data as needed to initiate the email campaign, here’s 5 quick steps that we know can dramatically increase your outbound email conversion rates.

Authenticate DomainKeys Identified Mail (DKIM)

Have you ever seen the sent “via” in a Gmail message email address line?

The reason you’re seeing this is because the sender has not authenticated the 3rd party email service provider to send emails on your behalf. To update this, you need to access your DNS provider and edit a TXT record. Changes can take up to 48 hours to propagate but usually happen within a few minutes. You can check SPF and DKIM keys using this tool at mail-tester.com. Read more about email phishing, why DKIM is important and technical details if you feel so compelled.

2. Use a plain, Gmail-looking template

Depending on who you ask, they will say to use images and HTML instead of plain text emails. I think an outbound email campaign always looks more personalized and easier to read leveraging a template that looks “plain.” Think of your customers – or yourself – if you have someone providing an ask, do you want to wade through a bunch of images or get to the point? Some of the best Outbound emails I’ve received did a few key things – leveraged a Gmail looking template, talked very specifically about my problem, and offered 3rd party educational advice as well as a specific solution that their product or service offered.

3. Send based on a Trigger

Triggers are everything. Articles and studies even suggest that to fall in love, it must be the right timing. In-depth understanding of your customers’ problems will illuminate triggers – and timing is a huge one. Your customers will leave copious amounts of clues on the internet to alert you that now is the right time to reach out. Are they attending an upcoming conference? Is there an internal indicator of change that you become aware of by keeping up with the industry briefings or their press section on their website? You must first put yourself in your prospects shoes to see what you would do as well as understand the industry marketplace, at least at a high level (though granular understanding allows you to obtain a competitive edge).

For example, let’s say you’re the founder of a startup SaaS company, and you just secured a round of funding to expedite new feature development but lack the internal resources to get it built, what is your next step? Probably to try to hire developers in an already tapped out market. Places like Boulder, Colorado are experiencing severe talent shortages due to larger players moving into the market like Google and Amazon. You go to StackOverflow and your website to list new job descriptions and tap into your internal team with referral incentives to recruit their dev friends. Now let’s say you’re an outsourced software development company targeting this SaaS company described above to get them to hire you instead of internally, you must understand that problem of your target market – the SaaS company founder. This founder has runway and investors to answer to in order to finish this new feature dev. They are struggling to hire the developers internally. They are probably leery of working with 3rd party developers because they have a company culture and budget to adhere to. You’re not selling them dev services, you’re selling them trust, peace of mind, expertise, the ability to hit their goals, etc. To identify this SaaS company at the right time, look at those digital clues that they are leaving – maybe their funding round was published on Crunchbase or in the local paper, tap into the StackOverflow API to see a list of the jobs being posted each day, check out the company blog to see what’s on the horizon, and so on.

If now isn’t the right time, simply do not send that email! You’ll just increase your likelihood of getting a spam report instead.

       4. Include social links to verify identify

In tracking what prospects were clicking on in an outbound campaign, surprisingly the 2nd most popular item clicked was my personal twitter handle. In this outbound campaign I was selling software dev services; however, my twitter handle is @MissBikesAlot and my personal website is rachel.bike. I introduced myself personally with my personal brand tied to the software company brand. My twitter handle and personal website were clicked more than any other items in the email besides the company link. It also opened the door for personal communication and humanized our company brand. I even got to go on a bike ride with the founder of Kickstarter because I had this twitter handle in my signature – and all I did was sign up for a conference not expecting any extra curricular activity time.

Tips and Tricks to Weave the Bike into Your Business from Rachel Beisel (Scott)

Any chance you can humanize yourself behind your company product or service, this will open numerous doors. Social is a great way to do this – this is why I say that a personal brand is perhaps the most important thing you can build to ensure a successful career no matter what your industry or goals.

5. Leverage Smart Automation Tactics

There are no shortage of tools to help automate your sales and marketing activities. Some of our favorites are leveraging Google Groups for larger sales teams to eliminate the sales qual role (contact us to find out how), mTurk and Clearbit for data enrichment, Mailchimp for basic and budget-constrained email automation, Google Drive and Chrome plugins for days, Zapier to tie apps and processes together that otherwise don’t integrate, and so much more. Subscribe to Product Hunt or our blog for tool tips and tricks to take you from start to sales. In fact, I taught a LeadGen seminar highlighting some of my favorite tools – you can see the slideshare below.

Data-Driven LeadGen: Hacks & Tools To Take You From Start to Sales from Rachel Beisel (Scott)

In the end, outbound campaigns are a numbers game and you can expect somewhat low conversion rates compared to Inbound strategies. Even if you don’t make the sale, it still increases awareness of your product or service and if your email is crafted in a compelling and data enriched way you could see prospects converting to MQLs at a significant rate. Remember to track your success of Outbound Email Campaigns, too, otherwise there’s no point in even trying the campaign or making improvements to it.
