It is often requested by most of the businesses to have a control in customer master data creation, such as to avoid duplicate customer numbers with same address data, same VAT, number, etc. Standard SAP provides this facility via a message control settings in the customer master. Deactivate sales order block removal via user authorization

In most businesses, customer service user who creates sales orders will also have access to create credit / debit memo requests. Both these documents in SAP can be created via transaction - VA01 and changed via transaction - VA02. Usually customer service user will have access to both VA01 & VA02 transactions to support business functions. Since billing block in the credit / debit memo request can be removed via VA02 transaction, customer service user can also remove these blocks.

Due to certain authorization control requirements, management does not want to authorize customer service user to remove the billing block in the credit / debit memo requests. But he / she should be able to do all other functionalities in VA01 / VA02 transactions, except billing block removal via VA01 or VA02 transactions.

Let’s see today how we can achieve this functionality via authorization control objects available in SAP.

This report drops / rejects open requirements for sales orders or stock transport orders (STO). These can be:

· Non-allocated sales order items

· Partially allocated sales order items

· Non-allocated STO items

· Partially allocated STO items

Non-allocated sales order line items are completely rejected using the rejection code you have defined in the customizing activity for that order type. For partially allocated sales orders, the Order Quantity for the specific sales order item is adjusted to match the allocated quantity and a new sales order item is created with the remaining units. This new sales order line item is then rejected with the rejection code you have defined for that order type.

Please use F1 help to read about this report in the SAP Easy Access Menu.

Back Order Processing functionality in SAP S/4 Hana is used to do the re-ATP (Availability To Promise) and (or) Supply Assigned (Used to be known as ARun). How to add new fields to VAS field catalog in S/4

Value Added Services (VAS) is a functionality that was delivered in SAP to handle services like packaging, monogramming, label printing, etc. VAS functionality also uses condition technique similar to pricing conditions, output conditions. You can create a VAS condition in the sales order and it can be transferred to delivery as well as to purchase orders.

In order to achieve this, we need to create condition tables, access sequence, condition types and condition records. In order to create condition tables, we can use standard SAP delivered condition tables, or can create custom VAS tables using VAS field catalog. Since we only have limited fields available to VAS field catalog, SAP has provide a method to add new fields and use them in VAS functionality.

Let’s look at an example of adding “Material Group 1” (MVKE-MVGR1) to VAS field catalog and use it in the OTC sales cycle.

How to add Cancel Date to Incompletion Procedure

It’s often requested by business users to make the sales order header “Cancellation Date” as mandatory field in the sales order. Incompletion procedure is the standard SAP way of making any sales order field mandatory.

“Cancellation Date” field is located in the “Item Overview” tab of the sales order.

Though standard SAP delivered sales order incompletion procedure has “Cancellation Date” as a field available, there is no screen available for the “Item Overview” screen.

You can validate this by checking all screens available in the standard incompletion procedure, under IMG Path – Sales and Distribution / Basic Functions / Log of Incomplete Items / Define Incompleteness Procedure.

Therefore, you will have to do an enhancement to achieve this. Let’s see how we can achieve this using an enhancement. Let's see how we can achieve this through an enhancement.

How to avoid credit released documents go through credit check again

Let's say you have a sales document for a specific customer which was credit blocked. Therefore "Credit Status" in the sales order header / Status tab was set to "Not approved".

Credit department has released the credit block via transaction VKM4. Once sales document is released, you can see the "Credit Status" in the sales order header is set to "Released".

There can be subsequent changes in the same sales document (After credit release), which are not relevant for credit check. For example, you can add sales text to order header, etc. But such changes should not carry out a new credit check and block the sales order again.

This can be achieved using standard SAP setting in the automatic credit control settings.

How to determine multiple delivery types for a one sales document type

When you create a delivery note with reference to a sales order in SAP, the delivery type is determined based on the configuration you have done in the sales document type customizing. You can see it in the below IMG path:

Sales and Distribution / Sales / Sales Documents / Sales Document Header / Define Sales Document Type
Field "Delivery Type" under the section "Shipping"

During delivery note creation, if you have maintained correct copy control settings, system will automatically determine this delivery type for the delivery document.

Now let's say, you need to determine a different delivery type (Eg: ZLF) for same sales document type. This cannot be done automatically via standard configuration. But it is possible to switch the delivery type during delivery creation in the transaction VL01N. But this feature is not available in any other delivery creation transactions such as VL10A, VL10C, etc.

Difference between General Item Category Group and Item category Group

Sometimes you might have noticed that there are two fields in the material master called,

1. General item Category Group in Basic Data tab – MARA / MTPOS_MARA

2. Item Category group in the “Sales: Sales Org 2” tab - MVKE / MTPOS

SAP has provided these two fields to use it for two different requirements. During sales order creation, with the same article, if you want to determine a different item category for a given sales area, then you can use the field “Item Category Group” (MVKE / MTPOS).

Since this field is located in the Material master sales data table (MVKE) you can specify different item category groups for each sales area. But the “General item category group” (MARA / MTPOS_MARA) is located in the Material Master General data (MARA) table; you cannot use this field for such a purpose.

Item Category Determination

When you create a sales order in SAP, the item category is determined based on below parameters.

 Sales Document type – From the Sales order header

 Item Category Group – From the Material Master

 Usage – From Customer Material Info record

Based on above 3 fields, system will automatically determine the corresponding item category in the sales order. This assignment is maintained in the below IMG node.
IMG Path: Sales and Distribution / Sales / Sales Documents / Sales Document Item / Assign Item Categories
In the same IMG node, SAP has provided an option of having multiple item categories for the same combination of sales document type and Item category group. But those are categorized as “MItC - Manual Item Category”. If any item category is assigned as “MItC”, then user is allowed to change the item category to that in the sales order item manually.
Automatic determination of item category will happen only for the item category assigned in the field “DfltC – Default Item Category”.

How to Set Up an EAN Category

The International Article Number (also known as European Article Number or EAN or UPC) is a standard describing a barcode numbering system used in global trade to uniquely identify a specific product. Typically EANs are 12 digits, with the last digit being a check digit. (will be assigned automatically). These numbers help customers and warehouse uniquely identify a product using bar code scanning or EDI transmissions. Businesses are required to purchase an EAN number range before it can be set up in SAP. EANs can be internal or external; you would use internal if you have purchased an EAN range and you want SAP to generate numbers from that range or external if you are using your own number range.

How to set the default login language in SAP login

When you double click on the respective system in the SAP login pad, you will get the SAP login screen, where you need to enter your user ID and the password. In the same screen you might have seen a space to specify the language. How to set a default variant to a Transaction VL06O

The initial selection screen you get for the transaction VL06O has 8 button options. Requirement is to appear only 4 buttons as soon as the transaction is being called. This can be handled by variants functionality in SAP.

If you set a custom variant (Z), user will see all 8 buttons when he logged in to the transaction code. Then user has to select the relevant Z variant from the variant selection button. A default variant for a transaction code is not possible with custom variants (Z). If you want to apply a default variant for a transaction, you have to save that variant as a system variant.
