Sample 1:
I thank you for preparing and sending the contract so promptly. All items look agreeable, with the exception of one. We initially discussed the possibility that you would include in your standard installment fees the motion detectors in both the hallways and in the offices, but I think we forgot to include that in the contract. I trust we can still have those installed and include an addendum to the contract that will reflect that change.

Please let me know if that meets with your approval so we can begin the process as soon as possible.

Sample 2:
I am returning the house repair contract that indicates that my payments will start on May 15. You may recall I requested that the first payment be due on June 1, and that each payment thereafter also be due on the first of the month. I receive my salary at the end of the month and pay my financial obligations on the next day. Please change the contract to be in harmony with this schedule starting June 1. I will sign a revised contract and return it immediately. If you have any questions, please call me at 555-5555. Thank you for your courtesy in this matter.

Sample 3:
I have not signed the contract received from your office because I do not believe that the salary compensation as quoted is accurate.

The contract states that the applicant agrees to accept the stated hourly salary as full compensation for each hour of counselling performed at the Springfield Counselling Center.

From my discussions with your personnel director, I understood that counsellors would receive regular hourly payment during day time hours and an amount equal to one and a half times the regular hourly rate for services rendered during the midnight to 8 a.m. emergency room shift.

Please confirm the different hourly rate with Personnel and let me know how I should go about making the necessary changes on this contract agreement.

Sample 4:
On the whole, the proposed contract is acceptable; however, two provisions concern me:

Please consider these changes and let me know what you think. If you are agreeable to my suggestions, I am willing to sign the contract.

Sample 1:
I know we have all experienced a very stressful year. Even after the downsizing six months ago that reduced our personnel twenty percent, we still have not achieved the winning quarter we were hoping for. Nevertheless, I want to assure you that we will not have further reductions in our work force. And there is another bright spot on the horizon. Although we did not turn a profit last quarter, we did break even and sales projections predict a small profit for the current quarter.

This positive trend indicates that our recovery from last year’s problems is on track and that we will soon regain our losses. Thank you for remaining loyal to the company and for helping us make a comeback. We appreciate your confidence and hard work.

Sample 2:
I realize that some problems have cropped up in the department since you took over as supervisor. As you know, the employees were particularly loyal to John Doe, and we expected some resistance to his replacement. But take heart. I have seen your calm, steady influence in the department and have no doubt that the employees will learn to work well with you. Keep up the good work. We’re behind you all the way.

Sample 3:
I understand how difficult it has been to work under the tighter budget introduced last year. As I am sure you understand, this is an attempt to streamline our operations by adopting more efficient methods of training and production. You may not know, however, that our production levels increased by nearly twenty percent in the last quarter. This increase is due to the hard work of employees like you who aren’t afraid to innovate and finesse solutions to problems rather than throw money at them. At this rate the original budget will come back on track in no time, with revenues up as much as fifty percent. Keep up the good work!

Sample 4:
I want you to know that I understand your disappointment at not receiving the promotion you wanted. While you have proven your worth as a contributing, effective member of our team, Mary’s greater number of years in the company, in addition to her experience working on the Smith project, combined to make her the leading candidate for the job.

Please keep in mind that opportunities for advancement will come again. If you continue to be as productive and resourceful as you have been in the past, I see a bright future ahead of you.

Sample 5:
I’m sure it was very disappointing to lose the Doe account after all your hard work. However, I want you to know I have never seen a more polished first-time presentation by a new employee. Given your skills, I am confident that you will have many more opportunities to make sales presentations for the company, and that many of them will result in new accounts.

Your cover letter is the first impression that you give employers. Sometimes without a GOOD cover letter, your resume does not get the attention it deserves. Let’s face it; resumes get skipped over all the time. That’s why you have to come up with a strategy on how to sell yourself to this potential employer. Set yourself apart by telling the employer how you will help them achieve their goals and what they reap if they hire you. If a cover letter does not attract the reader’s attention in the first paragraph then your chances of being called for an interview are drastically reduced. An employer may have a hundred or more resumes to look through and he or she is probably limited in time to make their selection. Here are a few tips that can help you towards a high quality cover letter.

Tip #1 Use high-quality white paper; it’s thicker than typewriter or printer paper. Avoid elaborate or colored stationery. Print a clean final copy to send, not a photocopy. Make sure there are no smudges or grease marks on the paper. Keep your extra copies in a large envelope or manila folder.

Tip #2 Keep your cover letter brief and to the point. Your letter should not go over one page. Use short paragraphs and bullet points whenever possible. Avoid excessive words when fewer words will get your point across equally. Construct your cover letter to have the same format style as your resume.

Tip #3 Highlight a most recent accomplishment or credential that you are proud of. This gives employers a hint of what you are capable of doing. Impress the employer with your skills and qualifications.

Tip# 4 If you’re emailing your letter, make sure your document will open properly as an attachment and that your computer system is virus-free.

Tip #5 Your return address should appear in the top right hand corner, without your name. As a general rule, you should avoid abbreviations in the addresses of your cover letters, although abbreviating the state is common in all business correspondence. The date should appear two lines beneath your return address on the right hand side of the page. Write out the date; do not use the abbreviated format. Example: February11, 2008.

Tip #6 Always try to find the name and proper title of the addressee before you send out a cover letter. Two lines beneath the date on the left margin of the letter, list the full name of the addressee preceded by Mr. or Ms. (Do not use Miss or Mrs., even if you happen to know the marital status of the addressee). On the next line, list the individual’s formal title; on the subsequent line, list the name of the company. This is followed by the company’s address, which generally takes two lines. The salutation should be typed two lines beneath the company’s address. It should begin with “Dear Mr.” or “Dear Ms. You should never use “To whom it may concern”

Tip#7 Request an interview or follow up call in your closing paragraph. This gives the impression that you are eager and ready. Truth be told sometimes you have to follow up yourself and call the employer to check the status. However be patient. ..At least give them a week to follow up.

Tip #8 Use a professional ending such as “Respectfully yours”, or “Sincerely”. Don’t forget to sign your name; preferably black ink. Nothing looks worse than a letter with a big white space where the signature is supposed to be. Emailed cover letters are exempt to this.

Tip#9 Do not use the same cover letter for every job that you are applying for. Tailor your cover letter to that particular company.

Tip #10 Most important: PROOFREAD! PROOFREAD! PROOFREAD! Use spell check and if available have someone else look over it. Nothing is better than two pair of eyes. Misspelled words will definitely send your resume to the bottom of the pile and possibly overlooked!

Before you begin writing your proposal, you want to have a clear understanding of the results you want from your proposal. This article will address the general business proposals that are used in every day businesses.

Some of the basic pieces of information all proposals should contain include:

1. What is the reason for doing this project?
2. What is your role in this project?
3. How will you carry out your responsibilities?
4. Where will this project be done?
5. Approximately how long will this project take to complete?
6. What is the total cost of the project?

These are just general questions that you should use for some kind of guidance in creating your proposals. There is not one specific format that every business has to use, but instead all good proposals will follow this general format.

Your proposal should also include an executive summary. This is often considered the most important part of the proposal. It is often the number one factor for the reader’s first impression. Your executive summary should be written last after you have written down all of the details and answered all of the above questions. When you write your executive summary last, you’ll be sure to include all important details that you have answered beforehand. It will be easier for you to include all key points.

Your executive summary is a brief description of the entire project and includes objectives, implementation and details the outcome of the entire project. Your executive summary should be no more than about 700 words and should cover one page.

Next another section to be covered is called “Need”. Need is a very detailed description of the current business problem and why it is important that it be addressed. In this section you want to use everything you can to support your information. This includes statistics from documented sources. You also want to detail the importance of the project to the overall health and vitality of the business. Here, you also want to include timelines.

In the next section, you should include Objectives. Here, in this section you’ll want to write out the expected or projected outcomes of the project. Be sure to write this in terms that can be tracked and measured. In the Objectives section, you’ll be showing what you will do for your client or business, how much and by what date and time. After the completion of the project, you will be able to evaluate the project based upon this section and be able to prove whether you’ve succeeded or not. In this section, you also want to identify long term as well as short term objectives.

Method section is one of the longest parts of the proposal. It can also be one of the most crucial parts. In this section, you’ll detail a complete plan of action for how the objectives will be accomplished. You’ll start writing out your overall approach to the situation and how it is relevant. Next, you’ll detail your methods and also how anticipated problems will be managed by you.

Evaluation will describe how your prospect will be able to know if the project has been accomplished to satisfaction. Here you will also describe plans for collecting additional pieces of information on how to improve the overall project. Here you also want to include what the purpose of evaluation is and what pieces of information will be gathered.

So here you have it. Writing proposals can be a very complex thing or a very simple thing. It all depends on the business situation. One thing for sure, you want your proposal to win you the sale or the business of your customer. Keep that in mind, when you are writing your future proposals.

The purpose of seeking sponsorship from a company or individual is to convince them to provide the monetary funding for a special project you are involved with. Since you are requesting money from them, you must make every effort to convince them that funding your project will be a valuable asset for them.

Before you start writing your sponsorship letter, you need to determine several items to present to them. Firstly, you need to establish just how much funding you will be needing from their company. An open-ended “anything you can spare” letter will come across more as begging than as a business proposal.

Once you have started your letter you should clearly and briefly describe your organization and what benefits it provides to the people it is serving. Links to other successful efforts you have made with this project will help establish your credentials and responsibility. If this is a new effort you are seeking sponsorship for then you will need to explain who this project will help and why. Explain why you feel this venture will be a success. You should also let them know exactly how you will use the funding to forward your cause. This will ease their concerns that they are not just giving money away for nothing.

The biggest factor in seeking sponsorship from a company is to show them how this will be a value to their business and community image. Invite a representative of the company to any news or photo opportunities that are being done for your project. Getting them involved as a visible supporter will increase your chances of them using your project as a good public relations venue. Offer to work with their public relations team to give them best exposure as a concerned and caring company. Adding their logo to your project stationery, advertisements and promotions can be a good start. If you already have a reputable sponsor that is not a competitor, then it can help to mention the high profile groups they will be joining if they become a member of your philanthropic team.

If it is possible and you know someone in the organization, you can utilize them as an extra reference or go between to convince the company of the benefits they can garner from supporting you. A corporate officer or board member can make an effective ally for your cause. Make sure they are willing to help espouse your project to their employers before mentioning them however.

Take the time to review and rewrite your sponsorship proposal letter. Make sure you are saying all that needs to be said without losing focus or adding unnecessary detail that will only make your letter a burden to read. Double check your spelling and grammar with a good spell checking program like MS Word. Even the best letter can be sabotaged by poor spelling or sentence structure. Make sure to separate each subject clearly so your document is easy to read. The added advantage to this is for ease of modification when rewriting it for multiple potential sponsors.

However much you want to say to convince them of your worth, you should keep your letter short enough to fit on a single page. Businesses are constantly being asked for sponsorships and will usually not take the time to read a long letter. Make sure to give accurate instructions for how to contact you and that you are willing to answer any questions they may have. A friendly easy-to-approach contact person on your team will greatly increase your chances of convincing the company to sponsor your project.

Follow up on your letter with a phone call after a few days. Inquire if they have had time to review your request first and be willing to set up later appointments with them at their convenience to discuss further details of the proposal. Having your details organized and handy for the follow-up potential meeting is of the utmost necessity. It is not likely the company will sponsor you merely on the merits of one letter. So use it to the best advantage to get them interested so you will be able to convince them of your worth face to face.

The Motivation Letter is an important document which should be developed with care because it will most probably be read if your CV is accepted. It is often a key determinant to get the job applied for. It needs to be drafted carefully but care must be taken not to make it too long because it must fit on one page, no more. It is therefore necessary to choose the right words and just these words!

This letter will be read in most cases after your CV. It is therefore unnecessary to repeat the details which has already been added in the CV but worth mentioning which has not already been added in the CV: your goals, your ambitions, your strengths and expectations and clear also, of course, what interests you in the post and / or the company.

There are two types of Motivation Letter:

Motivation Letter for reply to an ad: targeted at a particular position.
Motivation Letter for a recruitment company: if you have a vendor profile of interest to them.

Scope of the Motivation Letter.

As its name suggests, the letter accompanying your resume states your motivation. But its scope is much broader. Be aware that, in addition, it will also reflect your understanding of the position, your tactics, your language, so your level of culture and, more broadly, your intelligence and your personality.

We must therefore take special care in writing. If it is poorly written even with a good CV, it will make a very bad impression which can cost you the job.

Aim

The purpose of the letter is to explain why you want that particular job: What attracts you in the position?, what makes you think that you are the man or woman for that job?

Procedure

The letter is not the novel of your life! It is an exercise in style imposed, totally free. As the CV, there is no miracle formula.

At most, we can specify a method or plan of drafting in four steps:
* The opening phrase.
* Qualifications of the key points of that particular offer.
* The answer reasoned and expressed.
* Solicitation for Interview.

Handwritten or printed?

As applications are mostly done by e-mail now, the question arises less. If the ad specifies a handwritten letter, you will be required to send your application by post and make the extra effort to write with your hand. Maybe for a graphological possible, but know they are expensive and are not systematic.

Specific or generic?

The letter is always specific to an offer. After a short introductory phrase, use the plan prescribed in 5 steps. For example:

Dear Sir,
1. Please kindly find my application in response to your offer of .
2. I see the possibility of … [Take the key points of the announcement by reformulating.]
3. As you can see from my CV … etc …
4. Convinced that my profile matches your expectations, I would be very happy to meet you to let you know more about my ambitions and my motivations, and consider all the possible collaboration.
5. In this perspective, please accept, Madam, … etc …

You can use some common sentences of introduction or conclusion, but beware not to “purr”and be creative. Only in the case of a campaign of unsolicited applications that you are to write a generic letter.

Sample 1:
I want to remind each chairperson that our fund-raising deadline is approaching rapidly and we are still short of our goal. You have all been remarkably effective in getting the support of your groups and I am sure we can reach our goal this week if we all give one more push. What a great feeling it will be to accomplish what seemed impossible six months ago. You are setting new standards. Let’s finish the job right and then celebrate!

Sample 2:
This is a reminder that Tuesday begins our Spring Telethon. This year the number of volunteers is down, so the rest of us will have to pitch in where needed. Please check with Jane Doe, the head of volunteer services, for a list of open time slots in the schedule. You all did a tremendous job on the phones last year, and I know we can pull it off again this year. Let’s do it!

Sample 3:
The deadline for certification on the new presses is rapidly approaching. Those not certified in their operation please make an appointment with John Doe before this Friday. There are two sessions left before he begins training at another facility. Please do not be intimidated by the intensive training. This sophisticated new equipment, run properly, will make all of our jobs easier.

Sample 4:
Today we held an important meeting to reaffirm the need to make an all-out, division-wide effort to finish our current project by September 25. We are counting on a 110% commitment from each member of our team because of Doe Corporation’s need to deliver our product to the marketplace prior to the end of this year.

While the challenges are great, we are convinced that our team of talented, committed professionals will deliver to the marketplace a solid and exciting product. If we all pull together and pledge our total commitment and effort, we will succeed in reaching this important goal.

Thank you for your efforts and personal contributions as we work toward this goal together.

Sample 5:
I want to take this opportunity to thank each of you for the terrific job you have been doing to get the new product out on time. I recognize the long hours you have been working, and I know how tired we all are. If we continue at our current pace we should be finished with the product and ready to ship it by next Wednesday. That will give us time for a well-deserved long weekend.

I appreciate your hard work and devotion. The contributions of each team member are crucial for our success. Let’s continue to work hard and look forward to some extra time off next week!

Sample 1:
While visiting a library behind the former Iron Curtain, my wife and I were astonished that we could not find a single book in English. The librarian apologized and explained that his institution owned only four books in English, and this sparse collection was in great demand, with waiting lists sometimes twenty to thirty names long!

It’s easy to forget that books are prohibitively expensive in economically struggling countries. The door to economic prosperity remains closed for many, and knowledge of English, as the language of world trade and information exchange, may be the key to that door.

Next week our diocese will collect books for the country of Moldavia. Your donation of new or used books in English on virtually any subject will open the door of opportunity for countless eager learners. Those of you who cannot donate books or help in the collection can still make a difference by sending your monetary donation in the envelope provided. Proceeds will cover our shipping costs, with any surplus applied to the purchase of used books.

It’s not enough to remember the less fortunate in thought alone. Let’s remember them by our deeds!

Sample 2:
Jacob had dreamed of this race all year long. He crossed the finish line, thrilled at his victory and self-mastery. Jacob, along with the other competitors, are all gold medalists. They are all Olympians. Indeed, they are Special Olympians.

This year the Special Olympics must raise five million dollars to support the games and keep athletes such as Jacob anticipating their next Olympic race. Your contribution of five dollars or more can help bring a special victory to a special athlete. Just send your check or money order in the self-addressed envelope and become an important part of this year’s Special Olympics. Even if you can’t be at the games this year, you can have the satisfaction of knowing that you helped a special athlete like Jacob cross the finish line.
