A recent meeting with local VA bud Tara Fort, owner of Versatility4u.com, generated a list of resources you may want to review.

Like everyone these days, you probably find yourself spread thin in efforts to keep up with social media, Web sites, blogs, and other reading in your quest for valuable, accurate information. These are a few of the sites that Tara has found dependable in her business development process.

We decided to list them and each present our reaction to the site and what it’s offering… Please check back again, once Tara has had a chance to send me her remarks on how she uses these sites.

But… that doesn’t mean YOU have to wait. If you run one of these sites, or visit them yourself, let us know what you think by commenting.

Marketing Mentor

Tara says:

Katie observes: I can see why Tara loves this Web site! Everything you need to get your business going is provided, from how to create a detailed marketing plan and actually WORK it, to how to recruit the specific clients you want. Much of the content is free, although there is a membership component that gives you greater access and more support.

Client Attraction Blog:

Tara says:

Katie observes: This site uses video delivered content to teach you how to attract the clients you want. It appears to be recordings of a recently presented live seminar focusing on client attraction, closing the deal and keeping your focus. Video recordings don’t hold the lure for me that they clearly do for others, so I am anxious to hear more about how Tara makes use of this material.

DocUType:

Tara says:

Katie observes: Janice Byer is the owner of DocUType, and has operated her Virtual Assistance business since 1998. Besides using her business site to present her services, her Resources list is very rich in articles, tips, and a blog. She also offers an impressive library of ebooks covering how to set up your business, how to respond to RFPs, how to hire and work with a Web Designer, and a lot more. You’re right, Tara, Janice has a lot to offer new and experienced VAs.

Virtual Wire:

Tara says:

Katie observes: The subtitle of Virtual Wire is “connected virtual assistant and client,” so I presumed it would be all about just that, building strong client-service provider relationships. It appears to cover more than that (and so does Loosely Speaking, I have to admit), but I found myself a little disappointed as I was looking for some magic wands for those times when things get a little dicey.

For good measure and balance, here are a couple of software options Katie likes for you to check out:

Call Recorder:

Katie observes: I was looking for a way to record Skype conference calls so those who couldn’t attend could listen later. Remember, I’m on a Mac, so some of the resources you PC users love won’t work for me. I was psyched to discover ecamm’s Call Recorder. Experimentally, I recorded just myself talking to my cell phone, which was in another room, and I was amazed at the sound quality! Basically, if you can call someone on Skype (whether strictly audio or even in video call mode), you can make a great recording and the program just runs in the background. Afterward, you can extract just one or the other of the speakers on a two-person call if you wish. Calls are saved as QuickTime Movies and then you can instantly convert them to MP3 format for sharing online. Lots of great functionality for a VERY reasonable price.

Next month, our local NAVA (Northern Arizona Virtual Assistants Group) will record our meeting and share excerpts with you here, using, of course, Skype and Call Recorder.

Tara remarks:

Fresh Books

Katie observes: One of my clients just began using Freshbooks for time tracking and invoicing with a client of HERS who retains a team of Virtual Assistants. The company offers rates ranging from free up to $149/month. After just trying their online software for a few days, we were invited to a webinar presented by the Fresh Books team (using webex), and got a nice concise overview of this program.

You can follow the nice people at FreshBooks guys and gals on Twitter at: freshbooks.

And, guess what else?! They are hiring! Check out what/who they are looking for here.

Tara remarks:

The last time I updated my WP installation, it was quick & easy and smooth sailing… for about a month, when Loosely Speaking magically crashed on the morning of my birthday. It then took a month, much trial and error, help from some great colleagues, one very amazing tech support person at my host company, and ultimate restoring of my original version (2.6) to get back online.

I know, WP experts will advise me that it wasn’t magic but rather misbehavior of a dormant plugin or something else I did or misjudged. And I acknowledge that: remember, I blog for the pleasure of sharing ideas and news and am not a technical writer.

Ahem. That said, I am a pretty geeky chick, but sometimes these updates just seem like a magical mystery tour.

Yesterday I discovered I’d been largely de-indexed by Google (again) due to a hacker’s evil redirect. Now, this has happened before so I calmly investigated my code upon noticing a dramatic SERP drop. Spotting the offending base-64 code, I sliced it out and wrote a request for reconsideration to Google.

But then I faced the inevitable: I have to update WordPress again, if only for security purposes.

I used ftp to manually perform this update and immediately encountered a number of error messages. I sorted them out in short order and had most everything humming again within a couple of hours.

The only remaining big mess was the admin panel which wasn’t seeing its intended CSS and image files.

A colleague recommended reinstallation of the wp-admin files. This cleaned up the admin panel, but the visual editor was still inoperable. A reinstall of the wp-includes files seems to have been the answer. After trying for a number of hours to find the right fix, I’m lucky that these two simple tasks solved my issues. In looking for solutions, I found scads of good folks recommending things to try, with just as many people still looking at error codes after trying numerous fixes.

Over the next month other newts and toads will surely appear and I will wave my magic WordPress wand and say a few incantations, banishing all new forms of evil. Remember, 2.8 was just released, so those of us who jump in this soon are taking some risks.

This is a good learning opportunity for me when I’m working with my own site. But what if you are a web developer offering WP installs and customization for clients? Can one disclaim future issues, or must he or she assume responsibility for repairing any subsequent hacks or tricky updates?

There are far too many variables to make this a predictable and easy process: just check the various forums and other blogs where users document their experiences.

We all use different themes and plugins, which many of us customize endlessly, and our files surely contain some deprecated coding.

I remain a stalwart fan of WordPress but struggle to explain the nature of this beast when speaking with clients.

What do YOU do?

The first wave of the 2009 Angels rookie class flew into Orem on Saturday evening. More will be arriving throughout the summer as they agree to terms with the organization.

They visited the clubhouse (he’ll wear #39, same number he wore at the University of Arizona), and started filling out information for promotion videos and bio for the Orem Owlz Web site.

We discovered that all their games are <a href="http://secure.stretchinternet.com/demo/games.php?user=orem&o=cal_stamp&sd=today" target=_blank">broadcast free online, so that’s how we’ll spend our summer evenings.

Today they’ll meet their host families (Yeah! With only two duffles full of worldly goods, an apartment would be tricky. We really appreciate knowing there are wonderful people out there willing to open their homes to these young men.), we’ll get a mailing address (sorry, that will be private), and they’ll get in a workout before leaving tomorrow for their first game in Ogden.

Sunday evening while at a Dad’s Day dinner at our daughter’s house, he texted: “What should my walk up song be?” A few bars of your “walk up” song is played over the sound system as you walk up to the plate.

Not having had “walk up” songs in high school or college, this is uncharted territory. Exactly what does a person want their signature tune to say about them?

Because we are a supportive family, we immediately shot back a number of awesome recommendations. 4-year-old niece (and littlest Angel fan) Tessa shouted out: “Hamster Dance!” We also recommended “River Dance,” to which he said he was leaning toward Springsteen or Tom Petty (good boy, thought I).

So, what about “Runnin’ Down a Dream” (Petty)?

Our other contributions included: “Bad to the Bone,” (George Thorogood, even though Dillon isn’t and it’s overused), “Baby Mine” (from Dumbo, to which he said “That is Andrew’s wedding song, can’t do that”), “Shake It Up,” (Cars, perfect if you ask me), or even “Mannish Boy,” (Muddy Watters, maybe a little arrogant and some inappropriate lyrics, but hey, it’s Muddy!).

We’ll probably let the Owlz site tell (most of) the rest of this summer’s story.

Whoever you are, reading this, thank you for following #39’s progress and wherever you are, love to hear YOUR baseball stories!

Received equipment, signed up for his new insurance program (yeah!), had a physical and a workout. Then checked into hotel until tomorrow’s departure to Orem.

Making my rounds at Friday garage sales, the first text of the morning included a picture of his batting helmet and locker. I didn’t cry when he left two hours earlier, but when I saw that helmet, I had a mom moment (tears).

Then, the fans. Dillon’s niece, Tessa, was on her first-ever trip to Disneyland when her family learned Dillon had signed. Always his #1 fan, Tessa and her mom and dad took a quick spin down E. Katella Ave. over to Angel Stadium of Anaheim for merchandise and photo ops.

Best part of the day was the phone call in which my son-of-few-words told me what he did today as he waited for the shuttle back to his hotel. In his voice I heard fatigue, excitement and anxiety (the stuff a mom is always tuned into).

All normal emotions at the end of a guy’s first day on the job.

Contract and rookie league explained.

He heads to Tempe in the morning for physical and workout. Then gets his uniform and a plane ticket to head up to Orem, Utah on Sunday. He’ll be playing until the beginning of September, games every day with about four days off over the course of the summer. (No wonder they are called the “boys of summer.”)

All our questions were answered.

And he signed. And became a professional baseball player.

More later…

Nina Feldman, Nina Feldman Connections, and I have talked often in recent months about the need to identify quality training options for Virtual Assistants at various points in their careers.

Having been in the VA industry for many years, Nina and I agree it’s the responsibility of veterans in the field to help others find the professional development options that they require.

Certainly, training options abound, and here’s a link to some. Many of these target new VAs rather than experienced professionals looking to expand their skills into new or build their existing competencies to the expert level.

Nina shared the results of her search for quality training and has allowed me to pass it along here:

Recently, Sydni Craig-Hart, of EA to VA (Executive Assistant to Virtual Assistant) training, whom I’ve known locally for some time, has let me audit some of her teleseminars, and I’ve been extremely impressed.

Below are the links to the exceptionally useful information she provides to virtual assistants wanting to learn how to be more successful in their practices. Herself an early graduate of AssistU who has taken that training to even greater levels, I believe Sydni can save VAs thousands of dollars in money and time growing their businesses.

While some of her promotional material (see links below) makes her training sound almost too good to be true, it’s actually not. After attending several of her workshops, I’ve found them to be spot on.

Sydni is able to charge $75/hr. and more for her VA services due to her high level of professionalism and knowledge of the kinds of help clients need. VAs who want to make a good living at what they do are lucky that she is generous about sharing how she got to that point and how they can, too.

EA to VA Home Page

EA to VA Programs include:

Consulting Packages: http://www.on2url.com/app/adtrack.asp?MerchantID=136795&AdID=442908

Get A Strong Start: http://www.on2url.com/app/adtrack.asp?MerchantID=136795&AdID=442906

Most visitors to Loosely Speaking probably don’t care, but I’m going to chronicle the minor league experience through a mom’s eyes as this boy of mine embarks (fingers crossed) on his career as a professional baseball player.

So. 11th Round. Angels, taken as a 3B player.

We’ll see what happens next.

Then there’s lure of social media. Spending a little (ok, or a LOT) more time over there, a little (same deal, a LOT) less around here and next thing you know, your SERPS are taking a falling star’s trajectory.

Let’s say not only has your site traffic ebbed, but your revenues are on that same downward dive. And who isn’t facing that reality?

So, it’s summer and you can make lemonade. These new realities are also fodder for some good blog posts:

Testing new marketing strategies

Rearranging your work day to include more actual living since you have less work.

Reallocating your funds so that your budget better fits these times.

Setting up your new home office after having shuttered your brick-and-mortar location.

Defining a new client niche if your old base has eroded.

Redefining your business entirely, and the subsequent branding makeover.

In the knitting groups I frequent, one or another of us will often launch a “knit-along,” wherein a pattern is identified, a schedule established, and then we all work together to help keep up the pace until every one has finished and shared their object.

What about a “blog-along,” in which we all explore the same topic for a couple of weeks an then move onto another?

Tackling #1 from the list above, let’s spend the next week (June 16 – June 23) discussing our experiments with new marketing strategies for these times.

Blog your post on this topic, or create a link-y post pointing to other posts that are already all over this topic. Then, comment to lead readers to your post, or tweet it, or announce it however you prefer.

Unlike prospective employees who must have a polished and current resumé at the ready at all times, the self employed sector is rarely asked for a curriculum vitae or resumé.

Recently I had a conversation with a resumé expert (who will remain unnamed until or if she decides to weigh in on this matter) about the merits of keeping your resumé tuned up just in case.

In our current economy, any tool you can produce that helps present your expertise may make a difference.

So… how about it? Do you have a resumé and do you know how to use it?

Strategies for managing those feelings include volunteering, participating in face-to-face networking, and hosting gatherings of one’s peers.

In Arizona, we’re gearing up for a late summer meeting for Virtual Assistants. This will be our first-ever overnight retreat (though spending the night isn’t mandatory), and it’s planned for a hotel in north central Phoenix.

Have you hosted such a gathering? Or, are you going to be in Arizona in late August? Love to hear from you about your thoughts on an agenda for a VA retreat, or any similar event you’ve hosted for peers.
