RDA Toolkit demonstration available on the ACOC website

The RDA Toolkit has been released and is available for a free open-access period until August 31, 2010!

A demonstration of the RDA Toolkit has been made available on the ACOC website to help libraries get the most out of the open-access period.

Background:

RDA is the new standard that will replace AACR2 (implementation expected in mid 2011). The RDA instructions are part of an integrated web-based online package called the RDA Toolkit. As well as instructions, the RDA Toolkit also includes a variety of tools and links that help you use and interpret the RDA instructions.

Access to the Toolkit:

The contents of the RDA Toolkit are open at no charge for everyone to try in a free trial period from the RDA launch on June 23, 2010 through to August 31, 2010. If you have not already signed up then you can sign up now at http://www.rdatoolkit.org/openaccess. The open-access period is also an important opportunity to provide comments and feedback to the publishers before implementation. Report issues with the RDA Toolkit to the RDA Toolkit Support Center http://www.rdatoolkit.org/support/.

Demonstration of the Toolkit:

Minimum requirements for Acquisitions record

The details required in an Acquistions record is very much like the details required in the Short Cataloguing BIB record.

Details required are:

* ISBN (if you have it)
* Author (if you have them)
* Title (if a non book, remember to put the material type, eg. DVD, Kit, etc., especially if there is no ISBN)
* Edition (if you have it)
* Publishing details (publisher and date)
* Local note (Optional - this displays in tag 590 on the BIB record)

NOTE: If you don't have enough information to correctly identify the item, please do not put the record on Voyager until you have the item in hand.

The Australian Committee on Cataloguing (ACOC) and the National Library of New Zealand are conducting a survey to find out your needs and preferences for training in Resource Description and Access (RDA).

This survey will provide important information to assist us in facilitating the provision of training in RDA for Australian and New Zealand libraries.

Trove replaces Libraries Australia Search

Dear Colleagues

From tomorrow, 3 December 2009, the Libraries Australia free service will be switched off and will be replaced by Trove - one search ... a wealth of information. Trove is a new discovery service focused on Australia, Australians, and items found in Australian collecting institutions. The URL for Trove is http://trove.nla.gov.au

Records in Trove are a copy of the records in the Australian National Bibliographic Database (including the Register of Australian Archives and Manuscripts, and Music Australia), Picture Australia, Australian Research Online, Australian Newspapers 1803-1954, PANDORA and Australia Dancing. Some external data sources will also be available.

The web address http://librariesaustralia.nla.gov.au will provide access to the Libraries Australia enhanced (subscription) service only. Non-subscribers who arrive at this page will be able to access Trove directly, either by clicking on a hyperlink or entering their search terms in the Trove search box.

Those libraries that currently have access to Libraries Australia enhanced (subscription) service via a login and password will be presented with the Login to Libraries Australia screen. If your library uses IP authentication or a scripted login, you will still be taken directly to the enhanced service search screen. Z39.50 gateway will continue to operate for enhanced (subscription) users (using existing authentication).

More detailed information regarding the functionality changes to Libraries Australia services and how they may affect you and your library are included here.

When creating an ON THE FLY short record, please remember to suppress the record from the OPAC.

Please also set the status as Cataloging Review to alert staff that the BIB record needs either upgrading or deleting.

Changes to MARC language and country codes in Voyager

Recently Libraries Australia (LA) made some changes to the languages and country codes in their Cataloguing Client. I noticed these changes and checked the languages and country codes on Voyager, and made the following changes ...

To languages codes ....

added - fil= Filipino

added - zxx= No linguistic content

amended - srp= Serbian.

To country codes ....

added - kv=Kosovo

added - mo=Montenegro

added - rb=Serbia

The upgraded files have been sent to LRSN to go up onto the LRSN website.

Syndetics and incorrect images on WebVoyage

Sometimes a Syndetics image on WebVoyage is not the correct image for the item. Try adding another ISBN, eg. if you have a paperback, put in the ISBN for the hardback, or vice versa.

NOTE: Syndetics looks at the first ISBN in a record, no matter if it is an 13-ISBN or 10-ISBN.

Short records including ON THE FLY records

Jo Lockwood has identified some problems with short records, as follows. Many of the practices that have been identified in the procedures are not being followed.

If you have a need to create a short entry for preview video records (ON THE FLY record), ALWAYS type the words ON THE FLY: before the title in upper case, followed by the title of the item in sentence case, eg.
ON THE FLY: The book of flies.

The minimum requirements for a short entry are identified in the training PowerPoint, and also on page 19 of the Cataloguing Procedures. These records MUST also be suppressed from the OPAC. Below is a list of problems that Jo found concerning ON THE FLY.......

* ON THE FLY - should be in upper case
* Tag 035 - this should be used for the BIB number only - there should be no text in this field
* These records should be suppressed from the OAPC. At the moment very few are being suppressed. See the print screen (fig 1) below - only the yellow titles are suppressed.
* The title of an item should be in the a subfield, after ON THE FLY : - some are in the b subfield.
* Some records have subtitles in the c subfield - this subfield should be used for authors
* Some records have the title of the item in upper case. Only ON THE FLY should be in upper case.
* Some records are for items awaiting original cataloguing - ON THE FLY is not used for these records. Just create a short record, see the PowerPoint and the cataloguing procedures on page 21
* Some records are for Inter-Library Loan (ILLs) items - ON THE FLY is not used for this records - see page 8 of the cataloguing procedures.
* Some records are for equipment - ON THE FLY should not used for this records. These should be on the equipment template.
* Some of these ON THE FLY records are from last year or older. They should have been catalogued, or removed, by now.

Resource Description and Access

This is an update from Sandy based on her notes from the presentation she attended at the Information Online Conference in January 2009. The presentation was by Deidre Kiorgaard from NLA.

Resource Description and Access (RDA) is a new standard to be adopted in the U.S.A., Australia, etc. that is a new generational cataloguing code for the digital world. It is to be used in web based and other web based discovery services. Even though AACR is a robust system – it has reached the end of its life and was created in the era of the card entry – RDA will replace it.

RDA in the web environment
- clearly defined element set for better granularity
- greater emphasis on relationships
- better interoperability
- common vocabulary
- better coverage
Purchasing RDA
- various subscription models
- cataloguer’s desktop software to be available
MARC and system changes
- there will be MARC changes
- changes to record creation and import/export
- training/aids

The National Library of Australia (NLA)is involved in the interim implementation strategy. NLA will work with training providers and at this stage is it expected that only cataloguers will require training.

RDA should be fully online as a cataloguing tool in late 2009, and cataloguers and database managers should familiarise themselves with FRBR to gain from understanding RDA.

Study guides or support/teacher notes for purchased DVDs

Did you know that some video companies no longer include the support/teacher notes with the DVD you have just purchased?

After purchasing the DVD you can go to that company's website and download/print the notes. Some of the companies involved include ........

VEA (Video Education Australasia) - you need to become a member, which is free, you can then download the teacher notes. You are able to save the teacher notes on your computer/library network, and there isn't a time limit on keeping the saved notes. NOTE: VEA always keep the teacher notes on their website.

Marcom Projects - currently you can login as a guest and download the study guide. You are able to save the study guides on your computer, and there isn't a time limit on keeping the saved guides.

Vocam - they will send you an email with the link to collect the support notes/Powerpoint within 10 days. You can save the support notes/Powerpoint to an internal Library network (but not an Intranet) and print them (no multiple copies please) ..... the test parts are the only parts that can be printed multiple times.

Classroom Video - you need to become a member which is free, and you can then download the teacher notes. At the present time they can not say if you can save the PDF to a library network, but you can print off a master copy and photocopy as you need them.

Remember to add tag 500 to the BIB record stating that the notes are available from the company's website, see the LRSN Cataloguing Procedures (found at the LRSN home page) for full details.

Tagtables updated to add extra coding for tag 099

On some imported Libraries Australia (LA) records there is tag 099 with the Indicator 1 (I1) set as 5, and a LA number in the a subfield. This LA number is an old number from when LA records have been merged.

The cataloguing tagtables have been updated to reflect this additional information. Please go to the LRSN home page to download the updated set of tagtables.
