How to Reduce The File Size of a Presentation?

Sometimes we feel very disturbed by the file size of Microsoft Office PowerPoint presentation that is very large. Probably not a problem when we want to display it to the LCD Projector, but it would be a problem if we have to send them by email or upload it to a blog or website. Sending or uploading it will require more time and throw away your precious time. Not to mention, people wanted to download it will experience the same problem.

The file size of a presentation is generally determined by the number of images we add in it. And without a picture, our presentation will become unattractive.

HOW TO FIX IT?

One powerful feature to cope this problem is by using Compress Pictures menu in Microsoft Office PowePoint 2007. Follow the steps below:

Click on an image that we add to the PowerPoint. It will open the Format menu on the ribbon
Click Compress Pictures. On window that appears, click Options
There are several choices of target outputs, select E-Mail if you want to send the presentation file by email, then click OK
Do the same on each image on that presentation
Save As your presentation. You will see that a change in file size is quite significant, can be smaller up to 75%.

Use Snipping Tool to Capture Screen Shots in Windows 7

There are many methods to capture a screen shot, or snip, of any object on your screen. The easiest way is to press the Print Screen (PrtSc) key on your keyboard. But, this method can only capture the screen of all objects that appear on the monitor in full screen and save it to the clipboard. You can't capture a portion of a windows aplication, just a full screen one.

Another method is using software designed to take a screen shot. There are many softwares, ranging from the Open Source, Free until paid ones. Just googling with keywords "Screen Capture" to find softwares you need.

But if you are using Windows 7, you do not need to search for screen capture applications because Windows 7 is doing that for you. This Feature or application is called the Snipping Tool. We can access it from Start menu> All Programs> Accessories> Snipping Tool.

HOW TO USE

Open an application or application window you want to take it's screen
Open Snipping Tool from Start menu> All Programs> Accessories> Snipping Tool.
Click the arrow next to the New menu. There are four options:
If you want to take a piece of screen from an application menu, then after opening the Snipping Tool, click Cancel button or press Esc on the keyboard.Open the menu to be captured it's screen, then press Ctrl + PrintScreen (PrtSc) on your keyboard. Back to the Snipping Tool window, click the arrow next to the New menu, select Rectangular Snip and drag the cursor over the menu you want to capture.
After taking a screen, we can add a colored line with the Pen menu, highlight it with the Highlighter menu or erase it with the Eraser menu.
To save the results, just click the Save icon

Other Ways for Selecting Text In Word

Actually, there are many ways for selecting text in Word. You can select text by using the mouse or the keyboard:

Using The Mouse:

Any amount of text
Drag over the text.

A word
Double-click the word.

A line of text
Move the pointer to the left of the line until it changes to a right-pointing arrow, and then click.

A sentence
Hold down CTRL, then click anywhere in the sentence.

A paragraph
Move the pointer to the left of the paragraph until it changes to a right-pointing arrow, and then double-click. Or triple-click anywhere in the paragraph.

Multiple paragraphs
Move the pointer to the left of the paragraphs until it changes to a right-pointing arrow, and then double-click and drag up or down.

A large block of text
Click at the start of the selection, scroll to the end of the selection, and then hold down SHIFT and click.

An entire document
Move the pointer to the left of any document text until it changes to a right-pointing arrow, and then triple-click.

Headers and footers
In normal view, click Header and Footer on the View menu; in print layout view print layout view, double-click the dimmed header or footer text. Move the pointer to the left of the header or footer until it changes to a right-pointing arrow, and then triple-click.

Footnotes and endnotes
Click in the pane, move the pointer to the left of the text until it changes to a right-pointing arrow, and then triple-click.

A vertical block of text (except within a table cell)
Hold down ALT, and then drag over the text.

F8 (press once to select a word, twice to select a sentence, and so forth): Increase the size of a selection
SHIFT+F8: Reduce the size of a selection
ESC: Turn extend mode off

Accessing Page Setup: The Shortest Way

The shortest way to open Page Setup window in Microsoft Word is just doubleclicking the ruler. No need to open it from File menu.
