The best applicants will be invited to the beta.

Your beta account will be based on a temporary copy of your data. This copy will be protected the same way we protect your real data, and we will securely erase it once the beta is over. Since it’s a copy, participating in the beta will not interrupt your day-to-day use of Flow. You’ll be able to try the new features and familiarize yourself with the new Flow at whatever time is convenient for you.

Regardless of whether you participate in the beta, we’re working hard to ensure that the launch will go smoothly. Rest easy knowing that we’ll tell you everything you need to know before then.

If you have any questions, feel free to contact us at any time. Thanks for using Flow!

Since launching Flow just over two years ago, we’ve helped tens of thousands of people collaborate on some truly inspiring projects. Individuals and organizations alike have gotten hooked on Flow and we’ve been amazed by the stories about how it’s improved their work life. We’ve learned so much about how people use Flow and now, we’re taking it to the next level.

What was originally built as a simple in-house app to delegate tasks to our team has become a collaboration tool used by organizations of every size and kind all over the world. About a year ago, we decided that to realize our vision for Flow, we needed to make some radical changes and start fresh on a brand new version. It’s coming soon, and it’s going to blow your mind.

Completely reengineered and redesigned from the ground up, we’ve broken Flow down to its core to focus on what matters most: teamwork and collaboration. It’s blazingly fast and incorporates all of our most requested features. You’re going to love it.

There’s still more work to be done, but in the coming weeks we’ll be sharing more information on the launch, the invite-only beta, and what existing users can expect from the update.

Can’t wait to share. More soon. To stay in the know, sign up here: http://www.getflow.com/future/

One of the ways we did so was by removing the app menu. Now, when you click the Flow icon or invoke your global keyboard shortcut, the task form appears right away, making task creation even faster. We also removed Recent Activity from the app menu and now send it to Notification Center or Growl (if Notification Center is unavailable).

All that’s left is for you to try it! Download the new version here. If you already have Flow for Mac installed, you’ll need to download it again, as this new version is not available as an automatic update.

We’re big fans of Dropbox here at Flow and use it all the time to store files and share things we’re working on with the rest of the team. The best part about it is that we can access those files from anywhere at anytime—which makes it kind of perfect for an app like Flow. Enter: the Dropbox chooser.

Now when you click the “Attach” button in the new task form or the “Attach files” button in the comment form in your task, you’ll have the option to choose files from your Dropbox account, as well as from your computer as always.

To put it to work, click Choose file from Dropbox to open your Dropbox account in a new window. Once you’re here, you can browse your account and pick the file you want to attach to your task. A link to a private page on Dropbox’s website is added as an attachment, so your collaborators can view or download the file as usual.

And they’re pretty big.

Flow is all about creating tasks and collaborating with your teammates wherever you are, whenever you want. So what could be better—or more important—than an iOS app that just won’t quit? Not much.

That’s why the latest update for Flow iOS now universally supports iPhone 5 (now you lucky kids have everything), iOS 6, and is optimized for the iPad’s larger screen. So now there are more ways than ever to keep collaborating when it’s time to hit the road.

The new app was completely rebuilt from the ground up to provide a fast, stable, and beautifully-designed way to collaborate with your team. Now you can hold everything that makes Flow great in the palm of your hand:

The brand-new interface makes tracking projects and tasks easy and intuitive, and now you can create new tasks in seconds with the Quick Task Bar. Plus, the new comment form supports attachments, so you can quickly share photos or screenshots with your team. Most importantly, we paid a lot of attention to stability and speed, so you can get in and out of the app quickly, and get on with the important tasks in your day.

Flow helps thousands of teams centralize communication and keep everyone in sync every day. It’s most useful when your team uses it for everything: from tracking to-dos to discussing goals and setting deadlines. Of course, using Flow for everything means you need robust ways to find what you’re looking for, quickly.

Lists and tags aim to help with just that, but sometimes nothing beats search. Flow has always been able to search your tasks, but today we’re launching a new and vastly improved search feature: it’s faster, more accurate, and now it even finds matching contacts, lists, and tags.

Did we mention faster? We shaved a full second off most searches, and the average search now takes less than a second. Zoom zoom.

But we didn’t stop there. The Quick Search popover now shows you any collaborators, lists, and tags that match your search words. It’s so cool we even made an animated gif:

Search is now an even better way to find that task you’re looking for, or to dig up and review older tasks related to a particular topic. The Quick Search popover puts you a single click away from searching not just open tasks, but every completed task in every one of your lists.

Want to see every task related to a particular initiative or client? No problem. Flow looks high and low—it indexes task titles, descriptions, comments, and tags—so it can easily turn up every task related to your search words. Boom.

We’re constantly improving Flow, both what you see and the behind the scenes. Not too long ago, we reduced the time it takes to load most lists by as much as 50%. And you might have noticed another recent improvement when viewing completed tasks: older tasks now load automatically as you scroll down.

Finally, we have a big announcement right around the corner (cough new iPhone app cough), so definitely stay tuned. Until then, we hope you like the new Flow search, and that it will save you some time this week!

Last week, the newest version of Flow’s sister app, Ballpark was released to the masses and a landslide of compliments which we’re happy to add to.

If you haven’t come across it yet, Ballpark gives you everything you need to run a small business all from one app. You can send estimates, track your time, invoice your clients, and keep track of cash flow. You can even discuss invoices and estimates with your clients in app.

Basically it does for your business what Flow does for your life—eliminates the little worries so you can focus on what’s important. Check it out and let us know what you think: http://getballpark.com.

Creating tasks with the Quick Task Bar has always been a breeze. It’s great for instantly capturing ideas and to-do lists, and it even takes cues from its context, like delegating to the selected collaborator, or adding a due date in the Today view.

But sometimes you want to add just a few more details: to invite a follower, say, or to add a couple tags. That’s always been possible in the full task form, but if you’re in the middle of adding tasks with the Quick Task Bar, switching could be a drag. That’s why, today, we’re introducing new details shortcuts for the Quick Task Bar:

The syntax might be recognizable from Flow’s email integration—you can use the same shortcuts in the subject line of an email to tasks@getflow.com. Here’s a quick rundown:

@name Delegates the task to name

+name Invites name to follow the task

#tag Tags the task with tag

!tomorrow Sets the task’s due date to tomorrow

[Ship Repairs] Sets the task’s list to Ship Repairs

You can find some additional tips and tricks in our Support Centre, but before you go, we have another new feature to tell you about. Before today, drag & drop in the sidebar was limited to one list at a time. Now, you can select and drag multiple lists at once:

We hope you like these updates! Have a great week!

Our team creates tasks to keep track of everything we’re doing, so it’s not uncommon for some of us to end up with around 10+ tasks due on any given day. We love seeing everything we have to do and quickly jumping between discussions on each task. But we know firsthand that it’s sometimes not enough to see our Upcoming tasks sorted by day since some of today’s tasks are naturally more important or urgent than others.

That’s why, today, we’re pleased to announce that you can now reorder tasks in your Upcoming view:

Now you can easily plan and stay focused on a busy day by sorting your tasks in the Today view. The order you give a task in Upcoming is separate from its position in My Tasks or its list, so you have the flexibility to order your tasks logically according to each context.

One last tip: like in other lists, you can drag and drop Upcoming tasks between groups. Try rescheduling an overdue task by moving it onto a task due today!

We knew we were onto something when we introduced the Quick Task Bar last year. Since then, we’ve added another “quick bar” that makes inviting people to your lists simple and easy, right from the list sidebar.

Today we’re adding two new quick bars: the Today and task followers bars. The Today view of your Upcoming tasks now features the Quick Task Bar, so you can line up your day’s tasks as fast as you can type:

And task pages now have the same quick-invite bar we added to task lists, for inviting new followers in a jiffy:

We have a little bonus today, too: we’ve added “editing” indicators to comments, in much the same way that you can see when someone is typing a new comment. These should help with context when you’re having a fast-paced discussion with your collaborators:

We’re very proud of ours, but we’re constantly looking for ways to make it even better. It has always made adding lots of detail easy, but it can feel cumbersome when you needed to edit a long task description. So we came up with a better way: you can now edit task descriptions (and titles!) right on task pages!

We’ve also updated the task form with two small improvements. First, we’ve put due dates inside the same blue tokens you’re used to seeing in the List and Delegate fields, so quickly removing a due date is now much easier. Second, we added the option to remove tags from the list of suggestions, so now you can quickly remove outdated tags, tags with typos, and so forth.

Enjoy!

Update: Flow Concierge was discontinued on November 1, 2012.

What if there were someone on your team who never called in sick and never complained when you gave them small, annoying jobs to do? What if the next time you needed to book an appointment, find the best sushi restaurant in town, or compare hotel rates for an upcoming trip, all you had to do was create a task for it? Sounds pretty good, right? We think so, which is why we’re pleased to announce Flow Concierge, a new personal assistant service available exclusively to Flow users.

What is Flow Concierge?

With Flow Concierge, you can delegate tasks to our team of expert personal assistants from right within Flow. You can use it to book appointments, find travel options, do online research, or any of the thousand other little things that clog up your day. And the best part is, it’s built right into Flow’s web and iPhone apps, so you assign Concierge Agents tasks exactly as you would anyone else.

How do I get started?

To get things rolling, we’re giving all Flow subscribers a free task each month as part of their regular subscription. After that, Concierge plans start at less than $1 a day. To assign something to the Concierge, just create a new task as you normally would and click the green Concierge button in the “Delegate” field. Then sit back and relax as your new personal assistant takes care of the rest.

Now go, start delegating, and enjoy. Your day just got a whole lot easier.

Update: Flow Concierge was discontinued on November 1, 2012.

With that in mind, we’ve decided to setup a new status page for Flow. So from now on, any time you encounter an issue with Flow’s web, iPhone, or Mac apps, all you have to do is check status.getflow.com to find the latest status updates while we address the problem.

We’re happy to introduce a great little feature to Flow today: list duplication.

From now on, you can re-create any list and all its tasks simply by selecting “duplicate” from the list-options menu.

This should be especially handy if you find yourself regularly adding the same tasks to new lists. Now you can just create a template with those common tasks and the next time you start a new list, just hit “duplicate” and you’re ready to roll.

As an added bonus, we’ve made it so a list with “Template” in the name duplicates without the word “template.” (So: “Web Design Template” would duplicate as “Web Design.”) That way you can create a folder with all your template lists so you can easily find them later.

Enjoy!
