Supplies

We highly recommend that all supply orders should be sent out by courrier. Supplies will be availble for pickup at our usual location at the front door. Curbside pickup service is also available upon request.

Service

Our technicians are working remotely, however they all have access to our warehouse to get the parts needed to complete a service call. Our technicians will call ahead and follow any procedures that you have in place while following our own. All equipment, and parts will be thoroughly sanitized before entering your premises.

Sales

Our sales staff are working remotely at home. All sales staff are still available to assist you. You may call our office and our consultants will get back to you in a timely manner.

Information Security � Every document printed is stored within the hard-drive of the printer. Older devices are not equipped with encryption technology to protect your information. 

Material Costs � Inkjet cartridges are becoming costly and harder to find for some of the �workhorses� that are in the field. Ricoh has spent a lot of time and money developing the efficiency of toner and paper usage on all devices. Rate Change FAQ

What is this rate change about?
Canada Post announced this rate change late last year. This rate change affects all letter and parcel rates for both domestic and international destinations. For detailed information regarding the affected rates, you can contact Canada Post at 1-800-267-1177, or check their website anytime for more information.

Why did I receive a rate change package?
Effective January 14, 2013, Canada Post has increased some lettermail rates. Our records indicate that you have a postage meter and scale, so a pak or rate card was sent out to ensure that you are using the correct rates for postage as per Canada Post Corporation regulations.

What do I do with the pak?
You need to take out the current pak that is in your scale and replace it with the new one that was sent to you. You are required to return the old pak to us in the envelope provided. If you received a rate card you must download the rates. Instructions are included in the package, and for your convenience they can also be accessed from the menu above.

Is this rate change mandatory?
This is a regulated event where all mailing system scales in Canada are required to support current Canada Post rates. The most current rates are in effect as of January 14, 2013.

How many more rate changes can we expect?
In recent years, Canada Post has introduced the majority of changes to postage rates in January. However, new rates can be introduced intermittently, which will require additional updates to all mailing systems. Neopost Canada offers rate change protection through our MailCare Service Programs to ensure that our customers will not incur additional fees if Canada Post introduces multiple rate changes during a single calendar year.

A statement from Dominic Pontrelli, Ricoh Sr. Vice President of Marketing said, �AirPrint compatibility, part of Ricoh�s new intelligent MFP platform, helps make employees who use Apple mobile devices in their day to day work, more productive, both inside their companies and on the road.� Pontrelli went on to say, � Easy mobile printing relieves IT of the burden of managing software downloads, and eliminates the need for mobile employees to send email attachments around an office just so they can be printed from desktops.�

AirPrint functionality requires an AirPrint enabled MFP connected to the same WiFi network as the iOS device that is sending the print request. The technology, developed by Apple, lets applications create full quality printed output using Apple�s driverless printing architecture. All iOS built-in apps that support printing use AirPrint. The certification is part of Ricoh�s strategy to support mobile computing and printing in the workplace and is also an integral part of its Mobile Services. Citing a recent study conducted by Cisco, Ricoh notes that 78 percent of U.S. white collar employees use a mobile device for work and 95 percent of businesses allow employees to use their own devices in the workplace. Having a mobile print solution for a wide range of products facilitates the print process of documents from those devices.

AirPrint also works with built-in Apple iPhone, iPad, and iPod Touch apps such as Safari, Mail, Photos, iWork, and PDF�s in iBooks.                             <title>Do-It-Yourself Paper Jam Repair</title>
                            <description>
Paper Jams
When a copy machine is used to copy or print, paper jams are likely to be the most encountered trouble issue. Many paper jams can be remedied without replacing parts in the copier.

Be gentle when removing paper from the paper path while clearing a jam. The paper left in the paper path should be free from the grip of the paper path rollers. Look for handles to push, pull, turn or release if you encounter resistance when trying to remove a piece of paper from the machine. Aggressive removal of the paper from the grip of the paper path rollers may result in torn bits of paper being left behind. Even after the original jam problem is resolved, those stray bits of paper left in the machine's paper path will induce a new jam issue that might not be as easy to resolve by the end user.

Remove the stack of paper from the paper tray that was being used to copy or print from. Inspect the stack of paper for damage such as folded corners or ripped edges. Don't just open the tray and inspect the paper where it sits. Remove the stack and turn it over to look at the bottom of the stack. Remove any folded, wavy or damaged paper found in the stack, fan the paper thoroughly and then replace the paper stack in the tray.

Inspect the paper guides that hold the stack in place within the tray. The guides should neither be too tight nor too loose. Either state will cause jams. The paper stack should lay flat in the tray and have a small amount of play around the edges--usually no more than about 1/8th of an inch.

Note also the height of the paper stack in the tray. Somewhere on the paper guides there will be a mark to indicate the maximum stack height, or if the copier is very low capacity there may not be a mark. There may only be a maximum number of sheets specified in the owner's manual. Be certain the paper stack does not exceed that height mark or sheet count. If the stack is too high, there will be paper jams.

Dirty paper rollers can also cause paper jams. The feed and transport rollers in the copier will accumulate a buildup of paper dust, fuser oil and toner residue. This buildup will reduce the roller's effectiveness and can cause paper jams. Clean the rollers with a soft, lint-free cloth dampened with water. Use a gentle scrubbing motion on the rollers to clean off the buildup of dust and residue. Open the interior access panels and clean all the visible rollers.

Do not use alcohol or other cleaning agents unless directed to do so by a Milne Office Systems&amp;amp;#160;representative. Alcohol or other harsh cleaning agents can damage or degrade the material used in the rollers, which in turn reduces the effective life of the roller. Use a mild soap and water solution if you feel that water alone is not sufficient to adequately clean the buildup from the rollers but make sure any excess water is squeezed out of your cloth to avoid getting water into your copier.

To guarantee the best results from the cartridges, make sure to keep them sealed in a bag until they are to be installed into a printer. Do not keep them lying around without being covered or surrounded by a bag. Keep the cartridges at room temperature in a dry location and avoid exposing them to extreme humidity, cold, or heat. Various weather conditions could make the toner, a fine powder, clump together or otherwise fail.

Some specific conditions to consider when storing your toner cartridges are:

    Do not store your discount toner in temperatures in excess of 95 degrees Fahrenheit (35 degrees Celsius) or lower than 50 degrees Fahrenheit (10 degrees Celsius). These are numbers that generally apply to most cartridges.
    Keep your toner cartridges horizontal. Do not store your cartridges vertically.
    For long-term storage, keep the toner cartridges in their original packaging (cardboard box and sealed bag).
    Try to keep the relative humidity where your cartridges are being stored between 45 percent and 80 percent.
    Do not store your toner cartridges in any place that experiences rapid and extreme fluctuations in temperature or humidity.
    Avoid subjecting your toner cartridges to direct sunlight, even for short periods of time.
    Avoid storing or keeping your toner cartridges in places that are dusty or where dust may gather.
    Do not store your toner cartridges in your car or vehicle � not even the trunk � for long periods of time.
    Do not store your toner cartridges anywhere corrosive gases may be present.
    Toner cartridges can be affected by salty air. Try to keep your toner cartridges out of air that may have high saline concentrations.

If you follow these guidelines, you will likely keep your toner cartridges in working condition whenever you choose to use them, maximizing their life spans.</description>

                            <title>Keeping Your Copier Happy!</title>
                            <description>Today's copiers and printers take a lot of abuse. Whether it's for home use or a large office department they seem to always take a beating. How many times have you witnessed somebody get upset with a copier? It's hilarious at times. Some swear at it, some threaten it, some even kick it! That's no way to treat one of your most useful and overworked friends. Instead of getting mad at your copier, try some of these tips to keep your printing experience running smoothly.

1. Fan the paper before loading it in your machine. Loosening the paper before loading will help avoid paper jams and double sheet feeds.

2. Store toner cartridges flat. Never store a toner cartridge on end. Also, gently shake the toner cartridge box before opening.

3. Check the small scanner glass if you have a line on your copies from the document feeder. A spot on the small scanner glass will produce a line on copies.

4.Don't abuse your machine. Sure Ricoh products are tough and robust but kicking them or slamming doors will not fix your problem. If troubleshooting doesn't fix your problem, call for service.

5. Do not use a regular household vaccum to clean up any toner spill. Wipe up spilled toner with a stretch n dust cloth or something similar and do not rub on the spot.

6. Don't wipe up a toner spill using any kind of liquid

7. Store paper in a climate controlled environment. If your paper must be stored in a non-controlled environment, be sure to bring it to the copier area well before it will be needed. Paper is sensitive to heat and humidity and it must be allowed to stabilize before using it in a printer or MFP.

8. Check the display for maintenance messages. Do not ignore them. Your machine will tell you what's wrong. If you cannot fix it, call for service.

9. Keep your machine free from loose staples, paperclips, thumb tacks or any other bits that can get into the document feeder and cause jamming&amp;amp;#160;

10. Keep your machine dust free. A dusty machine will cause frequent paper jams and lots of frustration. Keep bypass tray closed when not in use and if your machine is located in a dusty area, wipe it down with a dry&amp;amp;#160;dust cloth frequently.

If you hold the paper in your hand you really can�t tell it�s damp by the touch, but it is.

Its easy to determine if humidity is the cause of your problem. Look at the paper loaded in your cassette if it appears to be uneven or lumpy and bumpy discard it for this is an immediate paper jam. Also old paper that has absorbed humidity and dried out again is also useless. If you pick up a ream of paper sometimes you can actually tell if it�s damp because it feels a little heavier than a dry ream. This is one indicator that you may have a humidity problem in the office.

Paper can be ruined in as little as two hours time if the copier is not located in a climate controlled office or if you live in such a place as the West Coast where rain and humidity are commonplace. I recommend only loading enough paper in your cassettes for one day. In humid climates keep your opened packages of paper sealed in a plastic bag. Keep your cases of paper always with the lid on for the cardboard acts as a moisture barrier.

If you have this problem here are some ideas for being proactive with the issue:

1) Put a dehumidifier in the office. This will greatly reduce the amount of humidity in the air.

2) If you open a ream of paper try to reseal it as best as possible. Rather than open an entire end of the package as the package indicates just make a small slit and pull the paper out as needed. If possible put the leftover paper (still in the plastic that you made the slit in) back in the box it came in for storage.

3) Keep boxes (sometimes called cases) off of the ground. Put them on a shelf or on some type of pallet to keep them off the ground where there tends to be more moisture.

4) Try not to fill the copier drawers with paper if it isn�t going to be used within the next couple of days. Paper that sits inside the copier drawers will soak up humidity because the copier drawers are not airtight.

What is this rate change about?

Canada Post announced this rate change late last year. This rate change affects all letter and parcel rates for both domestic and international destinations. Why did I receive a rate change package?

Effective January 17, 2011, Canada Post&amp;amp;#160;will increase some lettermail rates. Our records indicate that you have a postage meter and scale, so a pak or rate card was sent out to ensure that you are using the correct rates for postage as per Canada Post Corporation regulations.

What do I do with the pak?

You need to take out the current pak that is in your scale and replace it with the new one that was sent to you. You are required to return the old pak to us in the envelope provided. If you received a rate card, you must download the rates. Instructions are included in the package, and for your convenience, they can be accessed from the menu above.

Is the rate change mandatory?

This is a regulated event where all mailing system scales in Canada are required to support current Canada Post rates. The most current rates are in effect as of January 17, 2011.

How many more rate chages can we expect?

In recent years, Canada Post has introduced the majority of changes to postage rates in January. However, new rates can be introduced intermittently, which will require additional updates to all mailing systems.
