Top 10 Meeting Etiquette in China

You were sent off in high expectation at airport. Dressed up in your best suit possible for a meeting with your most important supplier, well this time, in China. As the plane leaves the tarmac, your anxiety start to build. What if they don’t understand me? or should I use a thumb-down just to get my point crossed? Too often, when meeting your Chinese partner for business, there are always some etiquette that not only can boost morale but also make you feel truly welcome.

1. Greet Their Boss and Show Enough Respect

Often times when meeting in China, you will be seated in their biggest conference room because Chinese host usually regard ostentation being one way of properly treating foreign guests. From their state dinner to sending redundant accompany, Showy display is part of Chinese culture. After seated, quickly identify where the whiteboard is, or if they don’t use whiteboard, the projector screen. The position of the whiteboard is important, as you would need to constantly walk to the board to get your message written down, you will need to be seated far better-off on that end. Seating priority plays a large role among large meeting in Asia and it still does even at the presence of foreign guests. Notice the row of chairs that are butted against the wall? they’re reserved for tier-2 and tier-3 management. Depends on who you are meeting with and how close your mutual relationship, Grab the first chair available and be seated first is not going to play well. The big shot is still given the top priority in Chinese culture to be seated first. And if that’s the case with your meeting, just wait for the subtle gesture of their boss and welcome back that gesture with a “palm-up” hand signal and, say “Ning Qing” means “You go ahead”.

3. Don’t Pound or Tap Your Fist on the Table As You Speak

Congratulation! You are just seated and have shown your Chinese partner the best etiquette that they understand. The meeting is off to a good start. Now let’s get into some serious business of talking. Most of us here like to use lots of body language and hand gesture to get points crossed and sometimes “fist tapping” on the table. When audience understand the speaker vocally, This body language accompany your tone could accentuate your speech. But if the audience need the translator to fully understand what you just said minutes ago, redundant body language and especially “fist tapping” doesn’t play well. Audience deciphers to your aggregated tone and see your “fist tapping” on table can mistakenly think speaker is angry.

4. Cellphone Ringtone During Meeting

In China, cellphone ringing is a constant annoyance as people talk louder and most of the time careless. This cell phone etiquette is going to happen during your meeting. Even your Chinese partner may occasional lower their head and pose the torso outward to hear from a cell phone. First, Don’t feel frustrated; Second, just pause smile, if you are in the middle of something, and continue. If the meeting is so important and you pause too often, it’s going to catch the attention of their boss. Let him handle this and by saying nothing, you’re paying them a great respect and show your great perseverance. Remember, everyone else in the room is so used to it, you might as well get used to it, from now.

5. Use of Chinese Vocabulary

Use of Chinese words in your meeting can be a very welcome gesture to your Chinese counterpart and be dramatic. Chinese tend to find your saying these words tantalizing and amazed because of your accent. Don’t feel embarrassed as you just cross the culture borderline to deliver a important message in their own language. This endeavor can be greatly appreciate by your Chinese audience and can rejuvenate a otherwise stagnating meeting proceeding. Don’t abuse the use of Chinese words if you can’t pronounce them clearly or master their tone as it will add confusion. Find the words that you want to use from your topics rather from daily greeting i.e. Maybe call the Chinese name of a commonly known product rather in English, as this will definitely play very well among all audience.

6. Exchange Business Card

In Chinese culture, business card represents not only the vita info of its owner, it is actually the incarnation of its owner. When exchange business card, People will use both hands and bow slightly forward. In return, the recipient is expected to lean forward slightly and receive the card with both hands. Bowing in card exchange is much more amicable than in Japan where 45+ degree is common. Taking the card with one hand when the presenter actually does with 2 is impolite. After card exchange, just browse through the card briefly and stash away properly. Holding the card with one hand and ask questions only befit with high ranking personnel and don’t bow well if you are not. Remember the card represent the owner so handling it properly can mean a lot to the card owner himself. In Silicon Valley where we grow accustomed to casual dress environment, it’s not uncommon to see people slide cross business cards on the table, this is no-no in China, remember what I says about the card?

7. Know the Decision Maker not the MC

If you don’t know the hierarchy of your Chinese counterparts, then you will be wasting your precious time. As with majority of Chinese businesses, people making the real decision are usually the one behind the scene. You can spot them being a loyal listener with no questions asked or the one occasionally jogging some notes or one whose ringtone suddenly silence all audience. Pick up these subtle note and express your opinion when having formal dinner with your counterpart. Remember to leave a good impression with the decision maker, you don’t have to take the issue up to him or request immediate communication. But to leave a good impression on him, you just extend your runway in the future for a more up-and-close relationship to come.

8. Know the Underlining of “We Will Study It”

Your proposal is good and the presentation is sharp, but your Chinese partner is not impressed and they are not even excited. What went wrong? You ask the translator, they will reply with this common “We will study it”. The phrase is actually the direct translation of a more subtle Chinese word “Yan Jiu”. Yan Jiu’s trace could dated back to pre-”Open Door” policy era when people used these two words to procrastinate decision making process. It’s a more political correct way of saying “I am not ready for this.” The decipher of “Yan Jiu” is more complicated than sending the shuttle to the outer space in China. But to simplify it, it’s a polite way of your Chinese partner to need more time to make decision. Don’t push for your own time table as this only exposes your weakness. Ever heard the Chinese words of “Yang” and “An”? Yang means lighted-side and vice versa, “An” the shadowy side. It reflects ancient Chinese defense strategy where enemy is exposed in “Yang”, and attack is easier if you’re in the “Yin” side. So leave some room for they to “study” and often times you will find decision is made while in dinner table.

9. Tone Down the Official Q&A and Leave It to Your Audience

In US, meeting is often concluded with Q&A session when speaker faces with the toughest questions. But things are much more different in corporate China where audience or subordinate is quite shy to ask questions in front of their boss. Often times the real Q&A starts when the meeting is over and your audience gathers for informal talk. Chinese feel much more comfortable talking and exchanging cards when the action itself not attracting attention. Feel free to mingle with these talks and start to discover what your audience are really thinking about the meeting. When chatting casually, the safe zone of your body envelope can be very limited. You will soon be surrounded by people whom you are not quite familiar with and eager to listen or eavesdrop. If you are not feeling quite comfortable talking to people in close vicinity, just ends it with a polite handshake and leave a positive note and a big smile!

10. Aggressive Notes Taking

Note taking is a big part of Chinese corporate meeting to show higher ranking manager that their words are heard and serious action expected. Chinese national TV often broadcasts news with party official in meeting. Panning the camera around will find more are taking notes seriously than paying true attention to speaker. This can happen to your meeting too. People are so devoured into taking their notes and they tend to focus less on your gesture, but more on jogging your mumbled words. Should you slow down to let people finish their notes? No, people are not expecting you, the speaker, to slow down and you can continue as usual. However, slow down your voice and speed and maybe throw a few Chinese words from the vocabulary. People get the point quickly and feel much more relaxed coming to your meeting.
