PRESIDENT'S WELCOME

Notes from the Board: Your ORSLA Board met on Saturday, February 6, 2010, to map out our coming events for 2010 and to begin planning for 2011.

Our first event -- Please mark your calendars for our Kick-off Breakfast, Saturday, February 27, 2010 from 9:00am to 11:00am at the Concordia University Library in NE Portland.

This year we will be having events throughout the months both in the Portland Metro area and in the Valley. Some will be more formal, like our Networking Forum on April 28 and the Student Reception May 15. Others will be in the more casual Conversaziones/Happy Hour motif and sprinkled throughout the year. The SLA Conference Recap just following the New Orleans Conference is being brought back by popular request. The Recap will be on Wednesday, June 23, 2010. More details on that as the time approaches. Summer brings a picnic and a Valley event, October we gather for the Annual Dinner and in December we'll host a holiday party. A number of additional opportunities are being investigated. We may have some surprises in the coming months.

As members of a broader community, we are also talking about our Oregon Chapter supporting our communities and raising our visibility. We are considering participating in one or more service projects like volunteering to help with a charity run, or assisting a local library or non-profit in a special project. We are very interested in your ideas and comments on this possibility. Please bring your ideas to the Annual Breakfast or <a href="http://units.sla.org/chapter/cor/feedback.cfm"target="blank">give feedback through the Website.

Our organization is focused on you.
Draft of SLA Professional Guidelines

DRAFT of SLA Professional Guidelines

Prologue

SLA seeks to promote the professional welfare of its members, the organizations and people they serve and the global progress of the knowledge society. In an environment where notions of ethics and service continue to extend and expand, SLA members strive to implement and promote guidelines for the ethical and appropriate use of information and knowledge. Fundamental to these guidelines is the recognition that there are different kinds of information and knowledge, such as personally identifiable, proprietary, or classified information or public information pertaining to the actions of government.

SLA recognizes that ethical reflection is required in the application of these guidelines. In certain situations, ethical values may be in conflict or may demand that one ethical value take priority over another, especially given the diversity of SLA membership. For example, accountability to society or to the organization may trump the common right to privacy or confidentiality.

SLA's guidelines for professional conduct are situated among diverse value systems: basic human rights; organizational missions, goals, objectives and ethical codes; legal, cultural, societal and governmental norms; and personal ethical beliefs. Within this context, SLA provides these values and guidelines to help its members frame ethical deliberation whenever ethical problems arise in a professional context so that they may take appropriate actions.

SLA promotes the profession's reputation for integrity, candor, loyalty, competence, diligence, honesty, discretion and confidentiality through creating and sustaining an environment that facilitates mutual trust among employers, clients or other individuals served, and the profession.

Guidelines

SLA professionals:

Act with honesty, fairness and in good faith in serving and providing value to their employing organization, their clients, and vendors.

Serve their clients or employers with the highest level of service.

Seek to improve the quality of and add value to the information and knowledge they provide, including its organization, collection, indexing, preservation, access, services, systems and dissemination.

Provide the organization and its clients with the best sources and services possible within organizational constraints.

Respect the intellectual property of their employers, clients and competitors, and within the legal and ethical constraints of the organization, inform their clients or employers of potential legal and ethical violations in the provision of sources or services.

Respect the privacy, rights, and reputation of individuals and organizations in the proper use of information content regardless of format or medium, adhering to the best practices of ensuring confidentiality.

Enhance employer success by contributing effectively to senior management strategies and decisions regarding information applications, tools and technologies, and policies for the organization.

Strive for excellence by seeking and maintaining professional knowledge and competencies in intellectual and information technologies in themselves, their colleagues, their organization and other professionals, including education for information literacy, equipping all with the skills necessary for lifelong learning.

Represent themselves accurately concerning their education, competencies and experience to their employers, clients, colleagues and other professionals.

Avoid conflicts of interest while in the performance of their work, including improper gain at the expense of employers, clients or colleagues.

Enrich the profession by:

Contributing to its knowledge base by sharing best practices, experiences and research;

Valuing diversity and cultural inclusiveness.

Appendix

History:
In 2007 the SLA Board's Ethics Workgroup analyzed codes of ethics and guidelines from library and information associations, and examined the basic tenets of them in connection with the SLA Competencies for Information Professionals of the 21st Century (2003). The Workgroup identified a list of components selected for their relevance to SLA and presented its report to the Board on 12 September 2007. An Ethics Summit held during the 2008 Annual Conference, which included more than 40 Ethics Ambassadors and unit leaders among the participants. Small groups brainstormed and SLA's Public Relations Advisory Council (PRAC) selected from the discussion summary, the top five values statements that best reflected the Association's core mission, values and objectives. The original values were:

(1) Making appropriate use of other peoples' work (e.g. intellectual property) whether created within our organization or externally.

(2) Transactional Integrity: Acting with honesty, fairness, and in good faith in serving and providing value to customers and negotiating with vendors.

(3) Respecting the privacy and rights of individuals and organizations in use of e-mail and online discussions and provision of information on user actions to management.

(4) Educating our constituencies on good information-seeking behavior appropriate to the type of decision being made, legal use of the information and using authoritative information sources.

(5) Diversity, cultural inclusiveness, respect for differences (e.g. making our sentiments known when we feel that material may be used in a manner harmful or hurtful to any given group.)

The PRAC proposed to the board the creation of a new permanent Advisory Council for Information Ethics (IEAC), and the proposal was accepted by the board. The IEAC was appointed in the spring of 2009 and met for the first time in June 2009 at the Annual Conference in Washington, D.C. Among its many charges was to "Develop and finalize the SLA ethics values statements and guidelines," which the IEAC determined to be its first priority. Fundamental to any set of guidelines are basic human rights, exemplified in such documents as the United Nations Universal Declaration of Human Rights and the constitutions of many countries. Such rights are considered basic for these SLA Guidelines and should be reflected upon before or while implementing them.

January Newsletter

PRESIDENT'S WELCOME

Last year will be a hard act to follow. Not only did we have some excellent events and wonderful gatherings for catching up with colleagues and making new contacts, but we had the pleasure of seeing our own Cindy Romaine elected to the international scene as President-Elect of Special Libraries Association. Yes, the membership has voted to retain our name, Special Libraries Association. Now we move ahead with the concept included in the Alignment Project--supporting the professional growth of our members and giving each of us the tools to improve and promote our skills and services.

It's very exciting to feel the energy that is coming from this Chapter. Thanks to so many of you who have asked how you can become more involved with our local chapter. To make it easier to get involved, we've added a position to the Board. Jessica Wilson and Tiffany Renshaw are working together to set up a means to make it easier for you to match your interests with areas in which the association needs help. As you know, it takes many different skills and lots of ideas to keep our association vital for everyone, but sometimes it's hard to know who to ask. Having one point of contact makes it easier for everyone to know the types of projects "in the works" that could use some helping hands. What better way is there to meet colleagues and learn some new skills than to work on projects together?

As you have probably noticed, we've had some technical difficulties with our website and have had only limited access for updating. We are working with SLA headquarters, the host for our site, to get things back on track and are looking forward to working on the changes that need to be made to make our site a central resource for you. More news on that soon.

Coming soon-events. The Board is meeting in early February to finalize plans for our calendar of events this year. We'll be aligning ourselves (yes, pun intended) with the ideas in the Alignment Project and concentrating on ways for all of us to improve our skills and promote our services, and expand our career networks. One of the reasons I enjoy ORSLA so much is our members' ability to enjoy ourselves and help each other while we learn. Details about our first event, our Kick-off Breakfast for 2010, will be coming out soon.

Happy New Year and I look forward to working with you this coming year.

MEMBER PROFILE
This month we are profiling Kati Arzeta, ORSLA's Vendor Relations Team Lead.

When and how did you realize you wanted to be a librarian?
It is funny because in high school I remember taking a "career assessment" test that indicated the best career for me would be librarian and I thought No Way, how boring. I was even volunteering at the public library after college for a few years before I realized that librarianship really was the perfect choice for me. It is the perfect balance between the two extremes of my interests: it is both intellectual/academic and practical. Also it isn't just about books or libraries, it is about everything! The fundamental problem of the human race is not having the correct information connect to the correct person (at the correct time).

What's your educational background?
I have a bachelor's degree in anthropology (from Reed College) and I received my MLIS from the University of Washington (I did the distance program).

What's your title? Do you like it? Does it reflect what you do?
My current title is librarian. I do like it - it was what I wanted to be. However I do feel that people don't really understand it and that it limits what I can do for the company. It is a constant battle for me: trying to be more involved outside of the library while at the same time not wanting to neglect the library or give the impression that it is unimportant or not used.

What do like best about your position?
That I get to do a little bit of everything: reference, cataloging, web design, training. I also like the challenge of teaching engineers how to use our Intranet!

What book(s) are you reading now?
I'm reading Crescent by Diana Abu-Jaber. She teaches at PSU and is a wonderful writer.

Why did you decide to join ORSLA?
When I started my current job, I knew that I wanted to join ORSLA. When two coworkers turned out to be active (or formerly active members) that was all the more reason!

Do you have an example of an ORSLA training, meeting or member helping you in your career?
Amy Maule (former ORSLA secretary) works in my office. If it wasn't for her, I would definitely not have made it here. She knows so much and has been so helpful. Also, I wasn't able to attend the annual conference this year. I did attend the ORSLA Conference Recap though and it was really interesting. I felt like I was really able to get a feel for what happened in DC and enjoyed meeting other members.

What's your favorite ice cream?
Mint Chocolate Chip. It's a classic.

What other interesting tidbits would you like to share?
(Kati supplied this information in early December before the results of the name change vote were in.) I'm really enjoying the name change debate. I hope everyone will take time to think about it and where they want the association to be in 5, 10 and 20 years. As a solo, I rely heavily on SLA so this is a big issue for me! I also encourage everyone to speak up about what you like/don't like about both SLA and ORSLA.

Thanks Kati!

We need to hear from you! Have a colleague you find particularly interesting? Innovative? Unsung? Brilliant? Let us know (SusanMecklem@dwt.com) and we'll take care of the rest.

TREASURER'S REPORT

2009 Finances
We finished the year with a bank account balance of $3,633.83. During the year, our income was $5,820.46 while our expenses were $7,684.39. Our three income sources were $1,450 from contributions (mostly vendors), $1,497.60 dues rebate from the national SLA, and $2,872.86 from event registration fees.

Event Registration.
Recently, the ORSLA Board instituted two measures regarding event registration. The first is to require pre-payment of certain events, such as those with food catering where the chapter must pay based on registration rather than actual attendance. And to assist members with pre-payment for all events, the Board's second measure was to establish an account with PayPal to provide the option for members to pay for their event registration online.

Please contact me with questions
or comments.
Your Treasurer,

FROM YOUR ETHICS AMBASSADOR
You'd never lie, cheat, or steal but what do you do when your boss demands a copy of an article or book RIGHT NOW or wants to know who asked you for xyz report? Do you ever lie awake at night wondering if you did the right thing? If so, you're
not alone. We all face ethical issues in the workplace and in everyday life. The ideals of ethics and service continue to evolve. Not every honorable person behaves in the same way. SLA encourages you to reflect on the proposed ethical guidelines located at http://units.sla.org/chapter/cor/categories.cfm?catID=2 and give us your feedback. Would these guidelines work for you in your place of employment?
Is it even necessary to have ethical guidelines? Tell us what you think! As always, thank you for your consideration.

December Newsletter

HAPPY HOLIDAYS
In this, our last newsletter for 2009, we decided to present our wish lists for 2010. Do you have some wishes for a successful and productive ORSLA 2010? Let us know!

Enjoy the rest of Holidays 2009.

PRESIDENT 2009: Cindy Romaine (cindy.romaine@comcast.net)
ORSLA members,

This week we learned that the membership voted to keep the Special Libraries Association name, rather than switch to the proposed "Association for Strategic Knowledge Professionals." I was fairly clear that my preference was to change to the new name, so on some level, I'll admit I'm disappointed. Still, I accept the results of the vote and I'm ready to move on. While a name is important, it is only one layer of how we self-identify and represent ourselves to potential members, employers and clients.

There were some positive aspects in the debate leading up to the decision. One of them was how robust the discussion was - and that it took place such a wide variety of media. Our members weighed the pros and cons in person, on the mailing lists, through the association blogs, using Facebook, Twitter, Second Life and more.

Furthermore, the membership voted. In most of our elections, about 25% of our membership votes. For this ballot, the turnout was an incredible 50%. There was amazing engagement on this issue--it really got to people.

My gut is that members are ready for a change, but not the particular name change they were presented with. Fair enough. We will continue to develop our membership services in terms of value, impact and benefits. I just hope some of the passion of the past election can find its way into members continuing to help steer us into an uncertain future.

I believe the Alignment Project will be the roadmap to our next steps. My own personal copy of the Alignment Project, with all its scribbled comments, post-it notes, and dog-eared corners is really getting a work out. If you're looking for an opportunity to make a difference within the Association, I urge you to print out your own copy and see if there is a place where you can plug yourself in.

Regardless of your personal take on the outcome-stay engaged! Participate and work with us to make SLA thrive. Our chapter and association need you!
ORSLA President

PRESIDENT-ELECT 2009 / PRESIDENT 2010: Judy Anderson (JuAnderson@cu-portland.edu)
This has been such a wonderful year for ORSLA and I thank you all for letting me be a part of it.

The Annual Breakfast, the Recap of SLA - Washington, D.C, conference, the Quantum 2 strategic planning workshop, the Annual Dinner, the Holiday Tea, gave us time to relax and meet colleagues while we enhance our skills and marketability. I'm looking forward to the opportunity to serve you in 2010 as your Chapter President as we move, as the Special Libraries Association, into defining and implementing concepts housed in the Alignment Project, helping each of us gain skills that positively affect our career goals, expand our possibilities and strengthen our professional networks.

PRESIDENT-ELECT 2010: Kama Siegel (KSiegel@schwabe.com)
As President-elect, I hope to work closely with the President (Judy) to put together a long-term vision for our chapter, taking the Alignment information into account. Among other things, I hope to:

-	work more with the general business community, so they can be informed about what librarians can do for them;
-	encourage/coax a decent number of people from the "outskirts" of the organization to be more active in the chapter;
-	interact/network more with other professional organizations in the area.

I look forward to engaging with many ORSLA members (and members-to-be!) over the three-year course of my leadership. I am excited to work with the Board and member-volunteers to accomplish these and other goals on behalf of our chapter.

SECRETARY / ARCHIVIST: Sue Mecklem (SusanMecklem@dwt.com)
Here's what I'd like to get accomplished next year, in my role as secretary/archivist:

-	Get a small team together to cull through archive boxes to get rid of unimportant and irrelevant materials per SLA's archivists recommended practices;
-	Make sure all the meeting minutes and other important Chapter documents are available online for all members; this would be in conjunction with Judy's initiative to update the governing documents;
-	Circulate the meeting minutes more quickly.

MEMBERSHIP: Reece Dano (reecedano@gmail.com)
This year the Membership Team will focus on reaching out to students and new professionals. We will also develop ties to our members outside the Portland metro area, with the help of Dean Walton (dpwalton@uoregon.edu) Valley Liaison.

This year will also see more activity from the First Five Years Advisory Council, which will develop networking and career development opportunities for new professionals. We are excited to work with the Council to boost our relationship with these individuals embarking on new career paths.

Finally, we look forward to using the findings of the Alignment Project to develop and strengthen our relationships with current members. It's going to be an exciting year!

COMMUNICATIONS: Meryl Cole (merylbeth@gmail.com)
Communications has a big year ahead. We will roll out a new web site and continue developing it (with your input!) throughout the year. We'll continue to publish our monthly newsletter (again, hopefully with your input). We will maintain/increase our communications to you both so you are in the loop and so that you will, hopefully (anyone noticing a theme?), share your ideas and insights with us.

WEBMASTER: Jessica Hastings (jesssh@gmail.com)
I would really like to get a more dynamic, user-friendly site up and running early in 2010. I hope that this will help us all to feel like a more connected group. I had already been enjoying our strong connections to national committees and issues and I'm particularly looking forward to hearing about Cindy's adventures and seeing how the Alignment project continues to play out.

PROFESSIONAL DEVELOPMENT: Joan Truncali (Bjtruncali@aol.com)
As you know, ORSLA has sponsored several Professional Development events in the past, including an "Annual SLA Conference Review" last June where several people who actually attended spoke about conference highlights, sessions they participated in which were particularly relevant, as well as industry / professional trends. We are now in the process of planning a couple of programs for the coming year, focused on member needs and interests. One such event has been tentatively scheduled for Spring, centered around the theme of Career Networking. We are considering a panel discussion with representatives from different professional organizations. Each person would speak briefly on how library and information skills translate to alternative career paths, and how general knowledge-based skills potentially relate to various employment situations. Watch for details in further newsletters as we move forward with planning for 2010!

VENDOR RELATIONS: Kati Arzeta (Kati.Arzeta@ch2m.com)
The vendor relations committee had a very successful year. We secured sponsorship from roughly eight different vendors for our events. Next year, we would like that number to double. Vendor sponsorship not only allows us to have more events, but it enables us to charge less (or not at all) for those events. Additionally, vendor involvement with ORSLA keeps all of us up-to-date on the latest technologies and product offerings in our field. The more vendors we have to contact and the more people we have contacting them, the more successful we will be; so please consider donating your time (and/or contacts) to the vendor relations committee.

ETHICS: LaJean Humphries (<a href="mailto"lhumphries@schwabe.com">lhumphries@schwabe.com)
As Ethics Ambassador I will distribute to the chapter and facilitate a discussion of the draft SLA Guidelines, conduct (another) information ethics event sometime during the spring (2010), summarize the discussions/event for a later newsletter, and provide feedback to the Ethics Ambassadors listserv.

At the last board meeting I was requested to chair a group to study and revise the chapter governance documents. Our team will review the current (outdated) documents, consult with headquarters on requirements, draft proposed, updated documents, and submit new draft governance documents to the Board for presentation to the chapter. Our goal is to have a draft to the Board within six months. Thanks.

STUDENT REPRESENTATIVE 2009 / COMMUNICATIONS TEAM 2010: Candice Erdmann (candice.erdmann@gmail.com)
In passing the torch of the Student Representative role, I am looking forward to sharing some of the methods in which I feel I have succeeded in expanding channels of communications between the association and its student members. I am glad to see an Emporia student (Zoe Fisher ztrope@gmail.com) taking on this role, as it has been held by UW students for a number of years.

I am a bit apprehensive about taking on a larger role on the communications team, but am also excited by the opportunity. I hope to continue to apply and expand on means of communication between the Board and the general membership, and to encourage more communication from the general membership as well. The intentions for the web site seem to have been gelling this past year, and I am looking forward to providing Jess H. with any help she needs to make those plans a reality this coming year. I also hope that the nascent newsletter will continue going strong this coming year.

The City of Portland Archives and Records Center is moving

Change is coming to the City of Portland Archives and Records Center! We are excited to finally be packing up and moving from our home in Chimney Park to our new location on the PSU campus.

With over 30,000 boxes to inventory and move, we will be closing to the public on November 30th and if all goes according to plan, re-opening May 1st. That means no in-person appointments or phone or email research questions answered until we reopen our doors.

We have created a FAQ that is on our website (http://www.portlandonline.com/auditor/index.cfm?&a=272520&c=26978) to answer questions about the move since we will be busy during the move and unable to answer questions directly while we are closed. As new information becomes available we will update the FAQ.

We appreciate your flexibility and patience as we turn the page on the next chapter of the Portland Archives and Records Center. Please check our web page during the closure for additional announcements or to keep updated on our progress.

See you in May!
