The Importance of Tracking Results in Church Outreach

In church outreach, tracking results isn’t just a best practice—it’s a form of stewardship. By measuring the effectiveness of your outreach efforts, you can ensure that your resources are being used wisely to further God’s kingdom.

Why Tracking Results Matters The adage “what gets measured gets done” holds true in church outreach. When you track the impact of your marketing campaigns, you can identify what works and what doesn’t, allowing you to refine your strategies and maximize your return on investment (ROI). This is particularly important in church outreach, where the ultimate goal is to attract new visitors and help them experience the love and community of Christ.

The Financial Impact Studies show that the average giving per person, including children, in a church is around $1,000 per year. This means that if just one family joins your church as a result of your outreach efforts, it more than covers the financial investment of your marketing campaign. However, the real value lies in the spiritual growth and community impact that new members bring.

How Outreach Smart Mail Can Help You Get More Visitors To attract more guests, consider using Outreach Smart Mail. This comprehensive outreach solution combines traditional and digital marketing strategies to maximize your reach and engagement:

Targeted Postcard Campaigns: Customize postcards to specific demographics and neighborhoods, ensuring your message is relevant and impactful.

Digital Ads and USPS Informed Delivery : Enhance visibility with email previews of your postcards, increasing reach and engagement.

Social Media Ads: Meet people where they are by adding social media ads to your campaign, extending your message’s reach.

Free Texting with Gloo: Use QR codes to initiate direct text conversations with recipients, fostering personal engagement and follow-up.

Enhancing the First-Time Visitor Experience Attracting new visitors is just the first step. Ensuring their first visit is welcoming and memorable is crucial for encouraging return visits. Research shows that by the time someone gets to their seat in church, they’ve already decided if they will come back or not. First impressions matter, and here’s how you can make a great one:

Outdoor Banners and Flag Banners: Use eye-catching outdoor and flag banners with welcoming messages to make a positive first impression as visitors arrive.

Clear Signage and Parking Lot Attendants: Ensure visitors know where to park with clear signage and have parking lot attendants directing traffic and welcoming people. This simple act of hospitality can significantly impact a visitor’s experience.

Friendly Greeters: Having friendly greeters at the entrance to welcome newcomers can make a huge difference. A warm smile and a helpful attitude go a long way in making visitors feel at home.

Building Community People are looking for community and connection. The more welcoming your church is, the more likely first-time guests will return. Creating an environment where visitors feel valued and connected is essential for building a thriving church community.

Getting Started with Outreach Smart Mail Ready to enhance your church’s outreach strategy and attract more visitors?
Benefits of Using Outreach Smart Mail

Churches are increasingly adopting Outreach Smart Mail for its comprehensive benefits, which combine traditional and digital marketing efforts to maximize outreach and engagement.

Expanded Reach By combining physical mailings with digital strategies, churches can extend their reach, engaging a wider audience and fostering community connections. Multi-touch marketing through postcard mailings, email marketing, texting, and social media ads creates multiple points of contact, making it more likely that the message will resonate with recipients.

Enhanced Engagement Interactive elements like QR codes and personalized texting options make it easier for recipients to interact with the church and respond to invitations. This increased engagement translates into deeper relationships and opportunities for spiritual impact. Social media ads further enhance this by meeting people where they are, ensuring your church’s message is seen by those who may not have otherwise encountered it.

Cost-Effectiveness Despite the digital age, direct mail remains a reliable and cost-effective method for reaching specific demographics and initiating personal connections. Studies show that the average giving per person, including children, in a church is around $1,000 per year. If just one family joins your church from your mailing, it more than pays for the financial investment. Moreover, tracking visitors and understanding how they found your church can tie these long-term results to the ROI of your smart mail campaign, making it a no-brainer investment.

Measurable Kingdom Impact Outreach Smart Mail isn’t just about marketing—it’s about making a kingdom impact. By leveraging enhanced visibility and engagement opportunities, churches can effectively share the gospel, disciple believers, and transform lives within their communities. Even if someone doesn’t visit the church immediately, the lasting impression from the marketing efforts will stick with the recipient and may lead to a decision later. The timing and messaging are always crucial, and while now might not be the right time for some, God will water the seed that’s been planted.

USPS Informed Delivery Advantage Every Outreach Smart Mail campaign includes USPS Informed Delivery, providing an extra touchpoint by sending an email preview of the postcard to recipients. This results in 13% more reach, 39% more attention to the postcard, 37% more responses due to repeated impressions, and 20% more conversions of people visiting your website to learn more. This added visibility significantly boosts the effectiveness of your outreach efforts.

Free Texting with Gloo Our partnership with Gloo allows churches to offer free texting capabilities. By incorporating QR codes on postcards, churches can initiate direct text conversations with recipients. This seamless interaction fosters personal engagement and follow-up, facilitated by Gloo’s platform, either through their website or the free app. This direct line of communication can be pivotal in nurturing relationships and encouraging visits to the church.

Why Choose Outreach While churches can manage these components individually, partnering with Outreach provides significant time and cost savings. With over 150,000 churches served, Outreach has the expertise and experience to execute these campaigns efficiently. Our streamlined process ensures that everything, from design to delivery, is handled professionally, allowing church staff to focus on ministry rather than logistics.

Digital Integration Outreach Smart Mail seamlessly integrates social media ads, email campaigns, and QR code texting into a cohesive outreach strategy. This unified approach ensures that your church maintains a consistent message across multiple platforms, increasing the chances of connecting with diverse audiences and nurturing relationships over time. Social media ads, in particular, help meet people where they are, ensuring your message reaches a broader audience.

Saving Time and Money While churches could manage these components individually, partnering with Outreach provides significant time and cost savings.
ROI and Measurability One of the standout benefits of Outreach Smart Mail is its robust ROI. Direct mail remains a cost-effective method for reaching targeted demographics, while the digital components offer measurable metrics for tracking campaign effectiveness. Consider planning one or more of these types of events before or after Christmas and then don’t forget to promote it to your community – see number 3:

Host a guest speaker – Everyone loves to hear a compelling story or rub shoulders with someone famous so bringing in a special speaker, athlete or comedian is a powerful way to see more visitors at church. But even if you don’t have to have a huge budget you can still create a special event by inviting a Christian community leader, a first responder or a missionary with a compelling story.

Plan a powerful Sermon Series – A coordinate series automatically provides you with a reason for people to come back the next week – it’s like a cliffhanger! A church in an area near a Military base can host special support groups for spouses or if you are near a large population of seniors, host a health and wellness fair – whatever brings more people into your building so you can minister to them.

Use multiple inviting methods – There is no magical one-and-done effective inviting method. Different people will respond to different methods and studies show that it can take up to 7 “touches” before someone will respond to a message. If you want to increase the number of people who visit your church, you need to increase the number of times and ways you invite them.

Direct Mail Invitations with Plan Your Visit QR code and free Texting services a mailed invitation is still the most effective way to reach thousands of homes.

Social Media Ads and posts are a great way to connect with a digital audience and reinforce your printed postcards and banners.
As the summer season comes to a close, it’s time to gear up to welcome back your church members who have been away on vacation and get ready for new guests! This is an opportune time to refresh your church building to make a positive impression on those returning to your seats.

In this article, we will explore several important steps you should take to create a warm and welcoming environment for visitors.

Assess and Beautify the Church: Before visitors arrive, take the time to assess the overall condition of your church. Check for any maintenance or repair needs, such as broken pews/seats, faulty lighting, dirty carpets and broken toys. A well-maintained and visually appealing church creates a positive first impression and sets the stage for a welcoming atmosphere. Consider adding fresh flowers, updating the art on your walls, and ensuring a clean environment throughout the facility.

Update Your Website and Social Media: In today’s digital age, many people turn to the internet for information about local churches. Make sure your church’s website and social media platforms are up to date. Provide accurate service times, details about ministries and programs, and clear directions to your church. Consider adding welcoming messages and testimonials from current members to provide a glimpse of the warm community awaiting visitors.

Prepare Greeters and Ushers: Greeters and ushers play a crucial role in making visitors feel welcome. Train your greeters to provide a friendly smile, a warm handshake, or to hold a simple hand held greeting sign. Encourage them to be approachable and available to answer questions or provide guidance. Ushers should be well-prepared to assist with seating, distribute bulletins, and address any immediate needs.

Create a Welcoming Atmosphere: Take the time to create an inviting atmosphere within your church. Update the banners and directional signage. Stock your Welcome Center with gift books and updated information so visitors can learn more about your church, its ministries, and upcoming events.

Offer Special Events: To engage returning visitors and members alike, plan a few special events and programs that cater to a variety of interests. Host social gatherings, potlucks, and/or family activities that encourage fellowship and connection. Consider hosting a movie night, Harvest Festival or service day to provide additional avenues for involvement that can make visitors feel more included and valued.

Encourage Small Group Participation: Small groups play a significant role in fostering connections within the church community. Emphasize the importance of small group participation to both visitors and members. Highlight the benefits of joining a small group, such as building relationships, finding support, and growing in faith. Provide information on various small groups available and encourage visitors to find one that aligns with their interests or needs.

Follow-Up and Stay Connected: After visitors attend a service or event, it is crucial to follow up and stay connected. Collect contact information, such as email addresses or phone numbers, and send a personalized thank-you message expressing gratitude for their visit. Share relevant information about upcoming events or ministries that may be of interest to them. Consistent communication can help visitors feel valued and encourage them to return.

Conclusion: As the summer vacations come to an end, churches have a unique opportunity to welcome back their congregations and extend a warm invitation to visitors. By taking these steps churches can lay a strong foundation for an inclusive and vibrant community. Let us strive to create an environment that fosters fellowship, support and spiritual growth.

September is Key

When planning a special event or outreach, it’s important to consider the timing and availability of your audience, and September is already seen by many as a month of transition and renewed energy, in this blog we will explore a few reasons why you should consider planning a special Back to Church event this September:

Capitalizing on Back-to-School Season: September marks the beginning of the school year for many students and families. It represents a time of fresh starts, new routines, and increased community involvement. By organizing a special event during this period, churches can tap into the collective enthusiasm and eagerness for new beginnings. Whether it’s a community school backpack drive, a food truck festival, community BBQ, or a special National Back to Church Sunday event, churches can provide a welcoming space for families, reinforcing their commitment to supporting education and family values.

Harvesting the Spirit of Gratitude: September starts the season of harvest and invites reflections on gratitude and blessings. Churches can plan special services centered around themes of thankfulness, encouraging the community to come together and express gratitude for their blessings. Hosting a harvest festival, a community potluck, or a service focused on gratitude can foster a sense of unity, and deeper appreciation in your local community.

Engaging with the Season of Change: As summer fades away, September signals a period of transition and change. This transition can be embraced by churches as an opportunity to reach out to the community and offer support during times of uncertainty. Planning workshops or seminars on managing life transitions, career changes, or dealing with stress can provide practical guidance and demonstrate the church’s commitment to the well-being of its members and the wider community.

Responding to Community Needs: Every community has its own unique set of challenges and needs. By engaging in open dialogue and active listening, churches can identify the specific needs of their community and then plan practical, helpful events that serve those in need. Whether it’s organizing a job fair, a healthcare seminar, or partnering with other community service organizations to clean up a park or school, mobilizing your church members and then inviting others to volunteer alongside you can, create opportunities for fresh dialogue, new friendships and breaking down stereotypes about “church people”. These activities not only strengthen the bonds within the church community but also provide an opportunity to invite new individuals and families to experience the warmth and acceptance of the church family.

No matter how you decide to connect with your community this September, it’s important to plan early and ask your church congregation to be involved. We recommend using t-shirts, indoor banners and social media graphics to build excitement and increase engagement.

In September, you have a unique opportunity to bridge the gap between your congregation and the wider community. By capitalizing on the season, embracing gratitude and change, and responding to community needs, you can create a welcoming environment that nurtures meaningful connections and shows your neighbors that you are a place of hope, love, and support.

Ask leaders and volunteers to meet 10 minutes early each day to pray for the kids and parents who will be introduced to Jesus through your VBS program.

Be a part of the opening announcements. Let the kids get to know who you are.

Help out at each station at least once throughout the week. This shows your volunteers you appreciate the work they do, and also gives you a chance to hang out with the kids.

Get daily feedback. You’re likely planning to survey leaders and/or parents after the week is complete, but you can also check in with leaders at the end of each day and make small adjustments before the next day. Additionally, you can be present as parents leave with their kids and briefly ask, “How’s it going? Everything going smoothly? Need us to change anything?”

Connect daily with parents. There are a lot of different ways you can communicate with moms and dads during VBS. Be available as they drop off or pick up their kids, and introduce yourself. Each day, you can send them an email giving a quick rundown of what happened that day. Be sure to embed a few pictures and remind them of what’s happening the next day. You can text them a link to a fun photo gallery of the day.

Update your event’s Facebook and/or Instagram page. If you’ve created a Facebook or Instagram page specifically for your VBS, keep this fresh with new videos and pics each day. You can even ask questions to garner engagement: “What was your kid’s favorite part of today?” or “Which game did they like better: tag or tug-of-war?”

7. Share the excitement.
Keep the lines of communication open with your congregation, and create engagement points for guests and potential guests with the use of QR Codes.

If you’re like most church ministry leaders you want to keep the lines of communication open with your congregation, and create engagement points for guests and potential guests. But sometimes creating two way communication paths that are clear and concise can be a challenge. That is where the smart and creative use of QR codes can help. Here is what you need to know about creating and using QR codes to increase church communication and engagement.

Why QR codes are so helpful

Just to be clear, QR codes are those little squares of bit-map code that can link to any online web page. During the pandemic, these QR code squares showed up everywhere to help increase communication without increasing personal contact. Which is exactly why they are still helpful around your church.

By simply pointing a smart phone at the square on any physical item, and then clicking the link, anyone can have instant access to a wide variety of online information from details about a special event, to videos, to surveys and sign up forms. QR codes can help declutter your printed materials while still providing readers with thorough details and/or a way to take action.

How to make a simple QR code:

The Google Chrome web browser offers a free QR code generator, just navigate to the webpage you want people visiting.
