Bill recently became a Executive Vice President. When taking this new role, expectations were set with the Executive Vice President, responsibilities and deliverables. Since taking on the new role, additional deliverables were added and budgets were cut. Bill has been back and forth with the leader. How can he navigate this without putting his job at risk?

The Solution/Action Plan:

Bill has been negotiating with other stake holders on meeting goals without an increase of funds. If he still needs more staff to deliver the new expectations. He will have a conversation with the leader for additional support. Bill will have discussions with the leader on alternatives to meet goals for his group.

The Outcome:

Bill has been able to resolve issues regarding funds. Mainly discuss with the leader he understands the responsibilities are changing because of new management. He wants the leader to know his role is to ensure the group is successful.

April Tips For Professional Success

Tip for Organizations:

Question:
We are a new group of engineers that senior management has asked we begin to visit clients to check-in with them on issues related to our product. What tips can we give them to navigate difficult issues related to products that may come up?

Answer:

Listening to the issues related to problems very carefully. Never getting ahead of the speaker. Do not interrupt and be very empathic. When asking questions be very specific in providing an answer if possible. Otherwise, give specific timelines on resolving the issues. Always leave the client satisfied they have been heard.

Communication Question:

Question:

I am working with an client who support person never delivers their commitment. How should I address it with the person or should I go directly to the client?

Answer:

Never go over the head of the person you are working with. Be direct by asking what is needed to be accomplished and get a clear timeline on the deliverable.

Presence Question:

Question:

Newer pants for women in some suits are showing capris with jackets. I recently saw a senior partner in a law firm wear a suit with Capri pants? Should I look into them to purchase to be current?

Answer:

I am not in favor of Capri style pants. They can make one look short and dumpy. They are more for casual wear but still do not recommend them. Longer wider pant style legs are becoming more popular.

The Art of Business and Social Interaction®

Question:

When is it appropriate to talk business when entertaining a client?

Answer:

An invitation to a client should set expectations that a business may be discussed. If not set up front in the invitation, only if the client brings it up.

The Situation: C Suite

James is being considered for the CEO position for a Fortune 500 company. The current management prefers him over another candidate because James has the knowledge and critical tools necessary to lead the organization into the future. However, when speaking in group settings, James either rambles or doesn’t speak at all.

The Solution/Action Plan:

James is a very effective communicator one-on-one and he has built a strong team around him. However, James gets a case of stage fright and becomes extremely nervous in meetings. The board strongly feels that in order to change their views, James must become more visible in meetings. He has a year and a half to improve his speaking skills in order to change their opinion. James realizes he needs to address his nervous in order to further his career. He begins coaching sessions, carving out an hour of his time every week with two goals in mind: first, to learn how to use his nervousness as a tool to help him prepare and second, to strengthen his communication skills. James never misses his coaching sessions. He sets goals to speak in front of audiences at least once a month and reviews his tapes in between sessions.

The Outcome:

One year later, James he is now being considered as the front runner to become the next CEO of the organization. The senior leaders and most of the board members see him as a viable candidate to replace the retiring CEO. James’s effectiveness in speaking on critical issues and ability to provide viable solutions shows he has the skills to grow the organization and become one of its leaders.

—John Wooden

March Tips For Professional Success

Tip for Organizations:

Question:

We have a new executive team. They have always worked behind the scenes. Now they are becoming the face of the unit. They will be meeting new clients and entertaining customers face to face and virtually. What are some clothing pieces they should have in their business casual wardrobes?

Answer:

Additional wardrobe pieces should have a jacket and companion slacks or skirt (for women). Choosing color, fabric, and fit are critical to establish a presence based on the client, activity, and location. Look for well-tailored shirts for men and underpinnings or blouses for women. Accessories must be in mint condition.

Communication Question:

Question:

How does one handle an individual who always seems to know more and has an answer for every situation?

Answer:

Most individuals who appear to be domineering communicators are trying to establish their base and brand. It is best not to spar with them. Instead, listen, offer a thank you, and either show your agreement or tactfully provide another point of view.

Presence Question:

Question:

Travel to many areas has been put on hold due to virus concerns. As a result, we are relying more on video conferences and phone meetings. However, a face to face meeting often provides a better read on body language and social cues. How can we be effective and establish connections on a video conference meeting or a phone call?

Answer:

Video conferencing can be an effective tool – more so than conference calls. During a video conference, paying close attention to facial expressions is important. Listening carefully is critical. Asking questions and repeating what is said will validate and reinforce effective communication. In addition, setting a clear agenda prior to the meeting will help improve the outcome.

The Art of Business and Social Interaction®

Question:

How do I handle shaking hands when I’m worried about the spread of contagious diseases?

Answer:

It is best to be honest and clear if you are concerned about shaking hands. Politely verbally greet the person and simply say something to the effect of, “it’s best to be safe, so let’s forgo shaking hands this time around.”

The Situation: Building Relationships

The general manager felt Joan was very successful in the getting the job one. However, she left many bodies and harsh in her communications with her people. Joan is very task orientated. Her executive presence was fair her leadership presence lacking in connecting those around her. Her general manager would like her be considered for the next GM of another group only if Joan could learn to use the finer skills in building relationships and still be successful as a leader.

The Solution/Action Plan:

Joan watched herself in a replay of a video of herself and realized how harsh she could be in her comments and tone when dealing with situations that did not meet her expectations. Her Platinum Rule assessment clearly indicated she was task driven and her observers also painted a clear picture of this. Her assignment was to understand the different communications styles of her team and to adapt their different styles. At the same time be clear about her expectations and what is needed to be successful outcome. Joan expected them to deliver what she would do but now understood asking questions and listening to help them see her see their point of view as well she sees theirs.

Joan also began to take the time to begin meetings letting the team have some dialog to get to build relationships by getting them to know her and vice a versa. Also did the same on team conference calls by beginning the dialog asking how the week went as an example. Also, during the meetings with senior management Joan began to temper her comments with a tone of inquiring instead of one of an accusatory one.

The Outcome:

The Outcome: Joan’s change in her demeanor, actions and work with her team was over a period of six months where then it became a matter-of-fact Joan’s change was not temporary but understood as a leader. It was first noticed immediately during the meeting with her GM and senior team. Close to a year later Joan is now been promoted to the next level and is being considered as the next General Manager in another group in the reorganization next year. This is a well-respected global Fortune 500 company.

Communication Question:

Question:

I get very nervous in a networking session and act like a deer caught in headlights. What do you suggest helping me appear confident?

Answer:

Practice, practice makes perfect. There is no other way to do it. Another is once a month go to a networking event to meet different people to become comfortable.

Presence Question:

Question:

I am short and stocking in physical appearance. What clothing recommendations will help me look taller and thinner?

Answer:

Alterations are important to ensure sleeve and hem lengths are the correct proportions. Choosing a shirt or top with a bottom, pants or skirt that will pick up the colors of your top to help elongate the body. Match your shoe color to your dark slacks will also add height to you. For men, shirts must be appropriate in length, so they tuck in easily to their pants. Many times, I have the shirts cut down for the hem.

A company being brought out, a company selling a major component of their business, and a company shutting their doors and closing down… All of these situations are common. They can be stressful and challenging, but they can also offer a wealth of varied opportunities.

The Solution/Action Plan:

The individuals who have had positive results during these difficult times are those who remain flexible, shore up their resumes, reach out to different areas in the organization, sharpen their interviewing skills, and look beyond surface levels for opportunities.

The Outcome:

The individuals who maintained their relationships throughout the organization succeeded in landing safely. They either kept their title, were promoted, or went with the new company.

Wade feels that these incidents of inappropriateness should not matter if he continues to raise the bar for the team, adding to the bottom line, and bringing in new business for the company. Wade does not appreciate how it can be damaging to his potential growth in the company and his team if he does not keep his comments in check. During team sessions, Wade was shown examples of his inappropriate comments. The sessions always ended with a learning lesson.

The Outcome:

Unfortunately, Wade and the organization ended up parting company. This case illustrates the importance of words. Inappropriateness, no matter how seemingly insignificant, can have long-term damaging effects.

Title:

Tip for Organizations:

As the holidays draw near, our thoughts often turn to gift giving. It has been a year of many challenges and changes. Our team is now virtual. Our normal holiday celebration when we all get together is not possible this year because of the pandemic. What suggestions do you have for gifts for our team members?

Answer:

Even though our holidays may be celebrated a bit differently this year, there are still many gift ideas that will be warmly appreciated. Team members may enjoy receiving the gift of a spa package that can be used at home. A gift card for delivery of a meal customized to the team member or a bestselling book that will offer inspiration for 2021 are also thoughtful ideas.

Communication Question:

Question:

How do you keep virtual meeting attendees longer than the time originally proposed?

Answer:

When virtual meetings run long, you risk losing the audience’s attention. Any change in the agenda, such as the length of the session, needs to be brought up at the start of the meeting. Asking the attendees for permission, along with providing the reason for the need for extra time, shows you value the attendees’ time and want to engage them in the meeting.

Presence Question:

Question:

What style of mask is best?

Answer:

Comfort and practicality are the most important factors in determining what mask is best for you. It can be tricky to get pullover masks to stay up over your face. Masks worn over the ears can pull if you are wearing glasses. Having several types of masks will help determine which masks work the best for you. The most important aspect is wearing a mask.

The Art of Business and Social Interaction®

Question:

It is discouraging that the country is divided over wearing masks. How do I handle the dialogue with grace?

Answer:

Taking the high road sometimes means politely stopping the discussion before it begins. One can simply say, I prefer not to continue or talk about this subject. It is important to remember than once words are spoken, they can cause differences that cannot be mended.
