type='text'>Three Tips to Propel in Your Virtual Assistant Business</title><content type='html'>Looking for ways to propel your home-based virtual assistant business?&amp;nbsp; Whether you are just starting out or have a full practice of clients, here are tips to help you get the word out and help you to become the go to virtual assistant for your specialty. &lt;br /&gt;&lt;br /&gt;1.&amp;nbsp;&amp;nbsp;&amp;nbsp;&lt;b&gt; Attend networking events&lt;/b&gt;&lt;br /&gt;Attend networking events regularly where your target audience might be.&amp;nbsp; It works!&amp;nbsp; For example, at a recent event the host and main speaker recommended attendees partner with a virtual assistant to help grow their business. You could almost hear gasps in the audience as many had heard of a virtual assistant before, but were surprised to hear it so highly recommended by this very successful speaker. The speaker then outlined the various tasks virtual assistants can do for their business.&amp;nbsp; Over and over throughout the event the speaker shared how their own virtual assistant had been a godsend to them. Needless to say, at networking time, if you were a VA in the audience you got the full attention of attendees when you told them you were a virtual assistant and what the speaker outlined is exactly what you do—and then some! &lt;br /&gt;&lt;br /&gt;That’s why we highly recommend attending networking events. And don’t be shy, be proud to say, “Yes I am a virtual assistant and I can be the partner you so desperately need.” &lt;br /&gt;&lt;br /&gt;Be armed with business cards and on those cards use that critical back-side to include many of your services.&amp;nbsp; Be especially mindful of the needs of that audience and before the event, know what services you feel would be most important to them.&amp;nbsp; Yes, you can have multiple business cards with different specialties. (Cool, isn’t it?)&lt;br /&gt;&lt;br /&gt;More importantly, collect cards from prospective clients who have a true interest in working with you. Take notes about your discussion, preferably on there, and as soon as you get back to the office send a follow up email with specifics. Ask for a meeting to discuss next steps.&lt;br /&gt;&lt;br /&gt;2.&amp;nbsp;&amp;nbsp;&amp;nbsp; &lt;b&gt;Get known by your specialty&lt;/b&gt;&lt;br /&gt;Trying to be all things to all people is one of the biggest hurdles for virtual assistants to get over. It can’t be done—at least, not effectively. The fear is you will miss out on that one magic client who might not know you do XYZ because you only say you do ABC. Right? &lt;br /&gt;&lt;br /&gt;We’re here to tell you this is not entirely true. The way we see it, and have personally experienced it, is if you specialize in a particular industry or a few select types of services then your marketing efforts will be more focused on just the right target audience. What happens is, you will get more ideal clients who will ultimately need other types of services. It’s up to you to let your clients know what other services you can offer.&lt;br /&gt;&lt;br /&gt;Conversely, if you’re all over the place knowing you can do 100 different things for just about any client who walks in the door, that’s great. However, it’s pretty difficult to focus your unique selling proposition and make yourself stand out in the crowd if you’re trying to reach every single business owner who might need any one of those 100 services. Make sense? Narrow the focus, narrow the target, and get to the right client. Simple.&lt;br /&gt;&lt;br /&gt;Now, in your marketing efforts you’ll be able to hone in on better keywords and keyword phrases based on the needs of the potential clients. In your copywriting you’ll be able to speak directly to your audience and they will see how well you understand their business pains—and you offer a solution! &lt;br /&gt;&lt;br /&gt;3.&amp;nbsp;&amp;nbsp;&amp;nbsp; &lt;b&gt;Know You’re Worth&lt;/b&gt;&lt;br /&gt;You excel best in your business when you charge what you are worth.&amp;nbsp; And don’t worry about what Susie in India is charging.&amp;nbsp; You know what you offer and you know just how beneficial you can be to clients, so be proud, be confident, and charge accordingly.&amp;nbsp; &lt;br /&gt;&lt;br /&gt;But just as important as charging what you are worth, is realizing what that worth is.&amp;nbsp; You need to be clear on the value you offer clients. It’s more than just saying, “I’m really good at this.”&amp;nbsp; It helps to have examples.&amp;nbsp; For instance, how much better does this sound?&amp;nbsp; “I’m really good at this and here is just one of the things I accomplished for a client.” And then include an example of how you rocked it.&amp;nbsp;&amp;nbsp; &lt;br /&gt;&lt;br /&gt;It’s also okay to test your rates.&amp;nbsp; If you raised your rates substantially and all of a sudden you see everyone exiting the building, you might have gone too far.&amp;nbsp; You can then adjust accordingly. Before adjusting downward though, be sure you have conveyed the value you bring to their business. Learn to sell yourself and your worth—and be confident! If you don’t believe you’re worth it, neither will the client. &lt;br /&gt;&lt;br /&gt;These are just a few tips on how you can propel your business. It’s all a matter of knowing what you do, how you do it, and why you are so good at it. &lt;br /&gt;

It might be the time to sit down with your virtual assistant or team and go over more tasks they can handle for you so you can give that quality care to all clients.&amp;nbsp; The biggest mistake most make is thinking they need to do it all alone.&amp;nbsp; You don’t.&amp;nbsp; So take action now.&lt;br /&gt;&lt;br /&gt;Also, take a look at your promotions or your offerings. Are you offering all the good stuff to the clients you are hoping to attract?&amp;nbsp; Giving specials is great, but consider what you can be doing for your regular clients too.&amp;nbsp; You know the ones that pay each and every month.&amp;nbsp; It doesn’t have to be money either.&amp;nbsp; It can be things such as sending out extra tweets or helping them with a project they are having problems with.&lt;br /&gt;&amp;nbsp;&amp;nbsp; &lt;br /&gt;Are you ignoring feedback? – What are you clients telling you?&amp;nbsp; Are you listening so you can take appropriate action?&amp;nbsp;&amp;nbsp; Look for signs that things are going well.&amp;nbsp; For example, are they not sending you as much work?&amp;nbsp; Are the responses back not as warm and fussy as before?&amp;nbsp; Be mindful of the signs and work to make it better.&amp;nbsp; Also encourage feedback, by asking for it.&amp;nbsp; When I send my invoices, I also ask for recommendations and I truly want to hear what I can do better.&lt;br /&gt;&lt;br /&gt;Not connecting enough – Are you not engaging enough with your clients and potential clients. When was the last time you sent out a newsletter or updated your blog? Be honest.&amp;nbsp; Okay, take it a step further, when was the last time you actually did some marketing for your business?&amp;nbsp; Take just a few minutes and write down what marketing you’ve done in the past two months.&amp;nbsp; Now review that.&amp;nbsp; Is it enough? What have you done right, what can you improve upon?&lt;br /&gt;&amp;nbsp; &lt;br /&gt;Now you know what you can do to make positive changes, be sure to include a plan to do that.&amp;nbsp; Write down a specific to do list to make these changes and follow-up on them. Be sure to make client relations a big part of what you do to not only keep those clients coming back again, but to keep them referring you to others.&lt;br /&gt;

If e-mailing, what is the standard turnaround time that you respond back to emails.&amp;nbsp; If phoning, what are your hours?&amp;nbsp; Once a client knows when they will hear from you, then they can plan their day and work accordingly.&lt;br /&gt;&lt;br /&gt;#2 - No Surprises - Nothing is worse for a client than to discover four hours before you leave that you are heading out on a week-long vacation.&amp;nbsp; That’s stretching it a bit and you probably wouldn’t do that, but think about other ways you might be surprising your client and not giving them the advance notice they need.&amp;nbsp;&amp;nbsp; Keep in mind that they are probably under pressure too to get their work done.&amp;nbsp; Always give as much advance notice as you can when things will disrupt the business flow.&lt;br /&gt;&lt;br /&gt;#3 - Where’d She Go?&amp;nbsp; For building good client relationships, try not to disappear off the radar screen.&amp;nbsp; Check in with your clients often.&amp;nbsp; When a client writes and they don’t hear back from you for days (or weeks), they fear the worst.&amp;nbsp; Even if you are working on a large project and the deadline is weeks away, e-mail them and let them know “All is going well.”&amp;nbsp; That builds confidence and security.&lt;br /&gt;&lt;br /&gt;#4 - OOPS, Where Did That Come From?&amp;nbsp; We’ve all been there.&amp;nbsp; You get the email from the client saying they found a typo or typos.&amp;nbsp; Ouch.&amp;nbsp; We can’t be perfect, but try and be as close as you can.&amp;nbsp; Proof and reproof your work.&amp;nbsp; Also, if possible wait until the material is fresh and reread it again.&amp;nbsp; Determine the time when you are at your best, and use that time to do your proofing. &lt;br /&gt;&lt;br /&gt;#5 - Super Size It Please -&amp;nbsp; Always give your clients more than they ask for.&amp;nbsp; You will be rewarded with not only more work, but lots of word of mouth referrals too.&amp;nbsp; And there are so many ways to do it.&amp;nbsp; For example, 1) Set up an Autoresponder for them so they can sell more products; 2) Set up Google Alerts under their topic or target audience so you can find websites or blogs that will help them spread their message; 3) Help them produce a newsletter or blog; 4) Send them more clients or referrals; 5) Ask them directly what you can do to better the relationship; and 6) Most importantly, listen to what they say. It’s so easy to get busy and listen with half an ear, or try and talk too much about your business.&amp;nbsp; Being a good listener is a valuable asset.&lt;br /&gt;&lt;br /&gt;#6 - Short and Sweet – Make sure that all e-mail correspondence is typed accurately and is short and to the point.&amp;nbsp;&amp;nbsp; With everyone having busy schedules, this helps your clients save valuable time. One thing you’ll discover is if you write too long of an e-mail often your main points will be missed.&amp;nbsp; This isn’t to say that you shouldn’t strive to get the answers you need, but keep in mind that their time is valuable and to use it wisely.&lt;br /&gt;&lt;br /&gt;#7 - You Need it WHEN? - Determine exactly when work is to be completed or when the order is to go out.&amp;nbsp; This will save a tremendous amount of problems down the road if everyone is in agreement.&amp;nbsp; It’s also good to have a written contract. Be specific.&amp;nbsp; Once everyone knows what is expected, things run so much more smoothly.&lt;br /&gt;&lt;br /&gt;#8 - My Dog Ate It - One thing you want to do is always try and make your deadlines and avoid excuses.&amp;nbsp; We all know that things come up and that’s okay if it happens occasionally.&amp;nbsp; However, if you make it a habit of needing additional time or not finishing projects, that client will fear sending you more work.&amp;nbsp; Not a good thing.&lt;br /&gt;&lt;br /&gt;#9 - Saved by the Bell -&amp;nbsp; Make it a point to back-up your work on a regular basis.&amp;nbsp; And test those backups.&amp;nbsp; Can you imagine even losing a week’s worth of work?&amp;nbsp; Your clients are counting on you to protect their work so you want to make sure it is.&lt;br /&gt;&lt;br /&gt;#10 - Howdy Partner – Remember that you are establishing a partnership relationship with your clients.&amp;nbsp; You want to help their business grow because as you do, your business grows too.&amp;nbsp; Let them know you value them as a client and are glad that they have entrusted you with their work.&amp;nbsp; In other words, you appreciate them.&amp;nbsp; Also, let them know that you appreciate referrals so that they can help in your success.&amp;nbsp; It can be a two-way street with this partnership.&lt;br /&gt;&lt;br /&gt;And finally, enjoy.&amp;nbsp; Start a friendship with your clients and let them know that you care about them.&amp;nbsp; Most of my clients today are good friends.&amp;nbsp; This isn’t to say that I’m not professional and don’t conduct myself professionally, as I do. Space I needed to proof my work, keep my reference books, or keep those essentials that I use on a regular basis.&amp;nbsp; For me, when I work I want everything within an arms reach and have the tools I need to complete my assignments within arms reach.&lt;br /&gt;&lt;br /&gt;I have a corner desk and on it I have my computer, printer, fax, phone, etc.&amp;nbsp; Beside my desk I have a two-drawer filing cabinet.&amp;nbsp; This was possibly the greatest thing I’ve ever done to organize my business.&amp;nbsp; In it I have my files and supplies that I use on a daily or regular basis.&amp;nbsp; My clients’ stationery, clients’ files, file for my receipts, all personal correspondence, paper, folders, etc.&amp;nbsp; Whenever these files get bulky with client documents, I simply empty them into the main filing cabinet.&amp;nbsp; For example, my main clients that I’ve been working with for 15 years, their files in the main cabinet are quite large and it’s so nice to have the smaller file close by with just their recent correspondence.&amp;nbsp;&amp;nbsp; Plus, when I need a folder, an order slip for my books, a copy of my stationery, it’s all right there.&amp;nbsp; AAAHHH, now that’s convenience.&lt;br /&gt;&lt;br /&gt;Now for the receipts’ file.&amp;nbsp; I keep it monthly.&amp;nbsp; I simply at the beginning of the month, replace the file with the new month’s file.&amp;nbsp;&amp;nbsp; That way, at tax time, I don’t have to go through a whole year’s receipts and divide it up then.&amp;nbsp; It’s all separated.&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp; &lt;br /&gt;&lt;br /&gt;Here are some other organizational tips you might find beneficial:&lt;br /&gt;&lt;br /&gt;Mail—We have a round basket by a small table by the front door.&amp;nbsp; All incoming mail goes in there first.&amp;nbsp; Then when I have the opportunity to sort through it, I get it and put it in its appropriate place.&amp;nbsp; Always pitch anything you aren’t keeping&amp;nbsp;&amp;nbsp; All business-related mail is sorted and put away immediately.&amp;nbsp; Anything that might need work done on it, is logged into my Daytimer and then put in the To Do Bin. &lt;br /&gt;&lt;br /&gt;Desk—Your desk should have on it only those items that you use on a regular basis.&amp;nbsp; Look around.&amp;nbsp; What haven’t you used in the last month or two.&amp;nbsp; Start Dumping.&amp;nbsp; Find another spot for it.&amp;nbsp; But find the RIGHT space for it.&lt;br /&gt;&lt;br /&gt;No Piling of Anything Allowed. This is one of those habits that can be so easy to get into.&amp;nbsp; Definitely one of the ones that I catch myself doing a lot!&amp;nbsp; But I stop myself now because I know it will just be brushed off to the side and forgotten.&amp;nbsp; Too often I miss something important and regret the piling blunder again.&amp;nbsp; You will be amazed how much more organized you will feel if you just don’t do this one thing.&lt;br /&gt;&lt;br /&gt;Daytimer—Now this isn’t only for Time Management.&amp;nbsp; Your Daytimer can have a space for all your business cards, appointment cards, etc.&amp;nbsp;&amp;nbsp; How great it is to have all these cards right in the same place. On the date of your appointment, you simply grab the card and off you go.&amp;nbsp;&amp;nbsp;&amp;nbsp;&amp;nbsp; &lt;br /&gt;&lt;br /&gt;Start the beginning of the day and the end of the day with a clean-up.&amp;nbsp; What a tremendous feeling that is.&amp;nbsp; When you are done with a project.&amp;nbsp; Away it goes.&amp;nbsp; Everything.&amp;nbsp; When you start the next project, out comes all the material you need.&amp;nbsp; &lt;br /&gt;&lt;br /&gt;There’s nothing like the feeling of sitting down in the morning to a nice clean organized desk and office.&amp;nbsp; Once you feel this a couple of days, you want to experience this every day so you’ll take the appropriate steps to make it happen. &lt;br /&gt;

A press release should immediately go out to announce their accomplishment.&amp;nbsp; This release should be added to their website and also should go to all their local papers, radio stations, and TV networks.&amp;nbsp; Media loves to highlight a success story of their locals, so make sure you get this out there as soon as you can.&amp;nbsp; And you don’t have to wait for the publicity to happen.&amp;nbsp; If your client lands a major TV segment, you can start sending this press out beforehand in order to get more media for when the event happens. You just want to make sure that the client is fairly confident the segment will air.&amp;nbsp; Also, don’t worry if the segment gets bumped back, that often happens as breaking news takes priority.&amp;nbsp; This can almost be a blessing, as then you get to do more publicity before the airdate.&lt;br /&gt;&lt;br /&gt;It’s also important to follow-up with the reporters and let them know how much you appreciate the acceptance of your quotes for an article.&amp;nbsp; When you go the extra step to show them your appreciation, they remember you when the next article comes up and they need help with more expert advice.&amp;nbsp; Many reporters work for multiple magazines so one good ally can lead to lots of media exposure.&amp;nbsp; Always keep your PR hat on.&amp;nbsp; Learn to take any situation and turn it into good press for your clients and your business as well. Stay on top of current events and see if you have anything to offer. Goals, dreams, to do’s, follow-up, connecting with old and new clients, coming up with a new plan, working, working, working … AAAHHH, it all seems to be too much at the beginning of a New Year. It’s just too much to even think about and so much easier just to not do it. But when you do, it can be so beneficial for the entire year. You set the pace and the success right now for what you can accomplish this year. So go ahead, get out there and do it. Here’s a little help.&lt;br /&gt;
&lt;br /&gt;
Tips to grow your business in 2012:&lt;br /&gt;
&lt;br /&gt;
1) Get Organized – Clean out the old and bring on the new. It’s so important to put away last year’s work and start with a clean start for not only you, but your clients too. It can be as simple as going through your client’s folders, putting anything you might need this year in a new folder and everything else stays in their old worn out folder. Put all your client’s 2011 folders together, put a rubber band around them, and put them away marking them 2011. Also make sure that everything is in alphabetical order in your current file system. Never know how by the end of the year that totally slips and the z’s are by the e’s, but it just happens. How awesome to see a-z once again. Now continue this throughout your office. Done!&lt;br /&gt;
&lt;br /&gt;
2) Get a new planner. (Yes, I know you have one already – but don’t skip to the next step just yet.) This planner doesn’t have client work in it. It doesn’t have school functions and times to pick up the kids. This planner is your business growth planner. (Make sure to mark it accordingly.) The planner needs to have each day on a new sheet, divided by hours.&lt;br /&gt;
&lt;br /&gt;
3) Get Planning - Set out time to work your business. In your new planner, for the next month shade in time you plan on working on YOUR business. For me it’s in the morning from 6:30 to 7:30 and then at lunch. I will probably work other times on my business, but this is the time that I have scheduled just for it. I am a morning person and this is when I do my best work. Take that into consideration for your plan. When are you at your best? For just one week write down what you are going to do in that time. Each Friday or over the weekend you are going to take that one step and plan out your next week.&lt;br /&gt;
&lt;br /&gt;
4) Get writing. (You knew as a marketer, I’d say that didn’t you!) You are going to write one article a month. No excuses. With that article you are also going to send it out, add it to your blog, create a couple of tweets from it, and also add it to your newsletter. Can you see the traction you can get with just one article? And don’t forget you can hire a publicity virtual assistant to do this for you.&lt;br /&gt;
&lt;br /&gt;
5) Get Social – Okay, I know you are already on Facebook and Twitter, but this year you are actually going to get more involved. In your planner, you need to schedule time (at least several times a day) to get active on Twitter and Facebook. (Or whatever social media you use.) Schedule the time and then send great quality tweets and tips.&lt;br /&gt;
&lt;br /&gt;
6) Get Help – You just don’t have to do it alone. Hire a virtual assistant or someone who can help you accomplish all these goals. If you have a virtual assistant already, start sending things over to them to do. It’s all about the action steps of getting it done.&lt;br /&gt;
&lt;br /&gt;
7) Get Happy – Remember you own your business for a reason. Enjoy it! Don’t get so caught up in the to do’s and client work to not remember why you are doing this in the first place. Take some time to reflect where you are and just be grateful for being there. Commit to enjoying your business more this year and the rest of all this (the to-dos’, the client work, etc.) will just seem to fall into place.&lt;br /&gt;
&lt;br /&gt;
Can you see how you can do this? You can grow your business. Yes, it will require that you make a commitment to it, but don’t NOT take advantage of that new year feeling. You will be amazed that after a short time, this will be so routine, you won’t even realize that you haven’t been doing it forever. &lt;br /&gt;

Instead, she developed a pitch that incorporated what was happening in the news at that time. She also tied in something that is always a media draw — a holiday.&lt;br /&gt;&lt;br /&gt;The pitch focused on a special Valentine’s Day radio broadcast that Jill was presenting for work-at-home moms. She offered businesses the opportunity to call in, send a Valentine’s greeting, and then briefly discuss their business. It worked! It brought visitors to the radio show and to her website, and she was also able to connect with many businesses who wanted to advertise on her site.&lt;br /&gt;&lt;br /&gt;Another great tip from Jill’s pitch was that she pitched the entire story as opposed to just talking about her products or services. This is really important, because media outlets are really looking for are interesting twists, hooks or angles — not just facts, figures or self-congratulatory announcements.&lt;br /&gt;&lt;br /&gt;So, what exactly does pitching the media involve? Mainly, it’s about contacting media outlets that would be potentially interested in your story. You can pitch to your local TV, radio, newspaper, or even national media. Local media often covers news specific to your area, and oftentimes you are afforded the opportunity to provide more personal information. National media pitches will need to have of a broad appeal, since it reaches a larger audience. Facebook, Twitter and LinkedIn are the top three, but that’s only the beginning.  Determine who your target market is and then meet them where they are.  It’s okay to ask by taking a survey by email or on your website asking which social media avenue your clients prefer.  Once you determine that, be consistent and realize that you can’t be everywhere all the time. By teaming up, you allow easy access to retweets, Facebook posts, etc.  Plus, it’s a great way to provide your audience with more valuable information on topics that would interest them by sharing information that is provided by the business(es) you team up with. Just make sure that your choose teammates with information that is a good fit for your audience.Don’t Just Advertise, Build Relationships. - We’ve all seen them.  The tweets and Facebook postings that we know are scheduled and we know are only trying to sell us something.  We aren’t saying that you can’t promote your services or products.  In fact, we encourage you to do that.  But do it right.  Don’t just be about landing the deal.  Truly connect with your audience and show them why they would want to work with you. We know you’ve heard it a million times already, but it speaks for itself and bears repeating:  Social media is meant to be “social.” &lt;br /&gt;&lt;br /&gt;Make It a Two-Way Street.  You post and you post and you post on Facebook. You’ve tweeted away on Twitter &amp;amp; you’ve updated your status on Linkedin. Finally you’re done. Social marketing is ready to be checked off the list.  Not so fast!  Realize that just like you are posting there are others out there posting and building relationships as well.  Get out there and respond to others, too.  When you think about it, how do you feel when someone posts on your Facebook posting or blog entry?  It feels good, doesn’t it?  When you see a Facebook posting that you like leave a comment - always making sure you add value and are not just promoting your business.&lt;br /&gt;&lt;br /&gt;Make It Exciting. We see this often: business owners on Twitter who get on for 20-minute increments and during that time we are inundated with retweets.  They will throw in an occasional tip or two, but basically it’s just 20 minutes of nonsense.  Now we love a good retweet, but we don’t enjoy this at all.  When you are marketing your business via social media, make sure that you engage with others and make it exciting.  Give some good information and tips - don’t just retweet to be seen.  Provide great value and your followers will not only enjoy your messages, but when they are looking to refer someone who needs your services, you will be on the top of the list.&lt;br /&gt;&lt;br /&gt;Learn From Others. One of the best things about being in business these days is that you have the opportunity to follow the pros and see what they are doing right. They eagerly give out tips, videos, etc.  Make it a point to follow those who you respect and can learn from.  Sit back and take notes. Another great aspect of social media is getting your message out to more than just your audience. Offer to guest post for other networks in your area of  expertise. Many times it is because they see you as the best at what you do and they want to learn from you.  Therefore it’s important to always give solid tips and advice to really show your expertise. Create high quality blog postings, tips lists and posts to share with your audience. It may take extra time to create high quality work, but the effort will be well worth it in the end.&lt;br /&gt;&lt;br /&gt;Spruce Up Your Page. Social media has come a long way in a short time. No more are you limited to a tiny avatar of your logo. Most of the social networking sites today allow you to fully customize your page with images, backgrounds and more. Spend the time to create a page that will draw in your audience and make them want to come back daily.&lt;br /&gt;&lt;br /&gt;Be respectful.   One of the things that most business owners value most is time. It’s important when you are on Facebook, Twitter and the other networks, that you be respectful of others’ time.  A few ways you can do that:  Don’t Expect An Instant Response.  Sending an Instant Message (IM) to a colleague or respected leader is fine, but recognize that they may not be able to chat with you immediately. Often times that person has allocated a certain amount of time to be on the site. If they are constantly on an IM, they can’t get what they need done. We’re not saying you can’t IM, but be respectful when you do. &lt;br /&gt;&lt;br /&gt;Don’t Take Advantage. Social media is a relationship builder and gives us instant access to industry leaders. However, be careful not to take advantage of someone’s goodwill by asking a zillion questions.
