The main benefit of laser printers is that they can support high output. This is ideal for a business environment. However, not all businesses are created equal. Some businesses require higher output than others. For others businesses, cost is a major issue. For some, quality is the primary consideration.

When it comes time to compare the various options for business laser printers, there are some key features that you should look for. Here are a few of them:

The Speed. As mentioned previously, one advantage of laser printers is their speed. However, some businesses, which are print-heavy, may need more speed than others. The speed of the printer is controlled by the size of its processor. Processing speed generally ranges from 100 MHz to 540 MHz, with the higher number producing a faster throughput.
The Resolution. How important is quality in your printing? If you're just looking for hard copies of some documentation for reference, perhaps quality won't be terribly important. However, if you're producing customer-facing materials, you'll want the best quality to make a good impression. Resolution is measured by the acronym "DPI", which stands for Dots Per Inch. The higher the DPI, the better the quality.

People always ask me what will be the new technology in Office Laser Printers, MFPs and Copiers. This is a very difficult question to answer, as there are several potential answers. One of particular interest is Hewlett Packard’s OXP.

HP OXP is Hewlett Packard’s Open Extensibility Platform, a platform for developers to create Apps to incorporate the Printer or MFP (Copier) with other hardware like tablets, PCs and Smartphones and Enterprise Software such as ERP, CRM, etc.

Primarily developed for workflow business processes, HP OXP comes in three different and unique varieties:

HP OXPd, the device layer, enables document workflow applications
HP OXPm, the management layer, exposes functionality for management software like HP Web Jetadmin
HP OXPw, the workflow layer, embeds web services technology into software like the HP Universal Printer Driver (HP UPD)

Basically the concept is to route paper documents into a business process workflow and incorporate the document images within other applications. An example might be for Accounts Payable (AP), where an Invoice is scanned and routed for audit purposes and payment authorization. Accomplished in this scenario would include the ability to also store the document(s) simultaneously in a Document Management Repository and to link the image to the ERP or accounting software.

Many Document Based Business Processes are slow because of outdated procedures. Many businesses and organizations are using HP OXP to automate and expedite these processes.

I believe in the very near future you will see a dramatic increase in new Apps for HP OXP devices coming from heavy hitter software giants such as Oracle, Great Plains, Intuit and others.

Document Scanners are a requirement for many businesses, especially those that are moving in a Green and/or Paperless direction. Once the necessity is realized, the question then becomes: what type/brand/model is best suited to the business?

There are numerous characteristics about business quality scanners that should be evaluated when shopping for the perfect solution. Here are a few questions business leaders should ask while comparing competing options.

What document size(s) will be scanned? Does the business have a lot of legal-size documents that need to be scanned? If that's the case, then a scanner with a feeder which can accommodate that size is necessary. But beyond that, does the scanner need to support documents smaller than 8.5" x 11"? Or even larger than legal? The hardware should support the document sizes that the business will be scanning.
Is speed important? Not all document scanners are created equal when it comes to scanning speed. In fact, it's a foregone conclusion that scanning speed is directly related to price. The faster the scanner scans, the more it costs. It's also important to tie this point to the previous point: if the scanner is advertised at scanning x pages per minute (ppm), that metric assumes 8.5" x 11" sized documents. If the business will be scanning a lot of legal size documents, the throughput will be slower than advertised because those documents are longer.
What type of paper will be scanned? If the business will need to scan card stock, photograph paper, thin paper, or some other unusual material, this should definitely be a consideration when shopping for a scanner. There are a few things more frustrating to business leaders than investing a large sum of money in a scanner only to find that it jams frequently because it can't handle various paper formats.

Automatic Toner Ordering: Never Panic Again!

Let's talk about toner.

You have to have it – if you run a business that generates reports, shipping labels, invoices, or receipts; toner is the life's blood of your business. If you run out of toner your business stops.

And, if you don't need to print every day, running out of toner on the day that you do need to print can be a catastrophic occurrence. Imagine you just completed a report that MUST be delivered to your boss in five minutes. You issue the print command at your computer, go to the printer, wait anxiously, and... the out of toner light blinks to life.

Not good.

So what are your options?

Do nothing

What We Are Unaware of about Costly Business Process Optimization

The importance of Business Process Optimization may surprise you. We can call it process management or process improvement but in either case the fact that as an organization businesses need to have a concrete view of their purpose, how they execute that purpose and, who they are going to be during that purpose. The various systems of business process improvement begin by looking at the above mentioned aspects along with who the business is designed to serve as its customer base and determine whether the business aligned to do so in a profitable manner.

The purpose of aligning the processes is a matter of quality management, productivity and competitiveness in the environment or genre of the business. Taking a closer look, we have a four part system where the processes function. It is the management system where we find the business leader, the process owner, the operations manager, and finally the process operator. What needs to happen between these aspects is a cohesive alignment that will perpetuate the goals and desired outcomes of the business.

Breaking these areas down further, we have the leader who creates the overall plan for the business accompanied with the planned resources that help with the successful execution of the plan. We have the owner of the process next who designs the processes to achieve the objectives set forth by the leader. Next, we find the operational manager who is the broker, so to speak, who brings the resources and the processes together to follow the plans and meet the objectives of the business. The final component is the process operator. They learn and perform the processes necessary to meet the planned objectives.

There is an internal process performed at the operational managing level that looks at key performance indicators that illuminate possible areas of lag in any of the functions performed at the operator's level. However, at this level the indications may point to any number of things that have either a direct of an indirect impact on the outcomes. This is why the identification and awareness of any bottle neck affect i.e. broken or poorly designed processes can help profitability. On the other side of the coin, if a business is unaware of any type of process issue it can hurt the revenue intake by increased expenses.

Web Based Document Printers

Sometimes you just need a list. "To do" lists, shopping lists and wish lists can be a lot of fun. They keep us organized and on track. They provide a sense of accomplishment when tasks are completed.

Virtual lists can be great and convenient, but sometimes you need a piece of paper to hold in your hands. You need to feel the pen scratch off an item. Let's face it, sometimes hitting delete isn't enough. Sometimes you want to take that list, crumple it into a ball and practice layups in the trash can.

So, what do you do when you create the perfect list, but it is stuck on your phone or tablet? You could save it to a flash drive or email it to yourself. Then you wait until you get to a competer hooked up to a printer. If only there was an easier way.

Mobile Users Have a Demand For Document Printers

The word on the street is office document printers are on the way out the door. It is inevitable that at some point printing documents will be a thing of the past. I don't think that is news to anyone.

Interestingly enough, it turns out mobile users are actually printing more now than PC users. The International Data Corporation (IDC), performed a survey of 800 tablet and smartphone users and discovered that this is truely the case. It turns out that not only are mobile users utilizing printing apps for paper printing, they actually demand it.

Currently, some on the setbacks for mobile users is the lack of printing knowledge from the device, but also - quite a bit of companies do not seem to have mobile printing enabled. This can become quite an issue for device users and a huge draw back when it comes to productivity. What is even more fascinating is that mobile printing tends to be more prevalent within larger corporations rather than smaller companies.

This is a good time for companies to step up and provide mobile printing services through the company network. Enabling mobile usage on the network can be a good thing, especially if it means breathing a little bit more life in the printers already sitting around the office collecting dust. As it turns out, some companies have found a way to combat the learning curve and allow a safe way for mobile printing on the network. Many corperations are starting to create their own mobile apps for the employees that have a need to print to a compatible printer. Sometimes this is not always the best option for some businesses; so as luck would have it - Dell, Canon and HP have created apps for iOS and Android users.

I wouldn’t swear off printers just yet, as they may still have some go time.

Hewlett-Packard Further Beset by Decline in Printing

While there is no doubt that Office Document Printing is in decline; Printers, MFPs, Scanners, etc are still essential for many businesses and individuals.

A recent TMCnet.com article sums it up nicely for Hewlett Packard. Xerox, LexMark and all of the other Printer, MFC & Copier Makers have the same challenges.

Businesses are:

Printing Less – thanks to tablets, Apps, Document Management Software and other technologies (think eMail).

Exploring Paper-Less Solutions such as Document Management Software (DMS) or Enterprise Content Management (ECM) Solutions complete with workflow to eliminate Paper and it’s time-worn tradition of costing organizations plenty of unnecessary labor dollars.

My Take-Aways:

Don’t Rubber-Stamp that Copier Lease Contract(s). You are not going to need those pages.

Look for a Document Management Solution and Firm to make the transition navigable.

Buy or Lease Refurbished Printers and MFPs.

Make sure any device(s) (i.e. Printers, MFPs) have both Tablet and Web Based Printing and other solutions.

Accept Change and Grow Gills to breathe it. Change and evolution will not stop in the office space, especially where technology is concerned.

HP Issues Security Vulnerability Warning on LaserJet Printers

Hewlett Packard has been sending Support Notification emails to Partners & Customers warning printer owners and IT Managers of security vulnerability on 72 Models of HP LaserJet Printers and MFPs (Multi-Function Printers).

The vulnerability could allow hackers to remotely install unauthorized printer firmware for a variety of malicious purposes establishing a clear threat.

HP does point out that susceptible LaserJet printers may have unofficial firmware remotely installed if “on a Public Internet without a firewall, or for LaserJet devices in a private network, if a malicious effort is made by a party on the private network to modify the firmware of the device”.

Hewlett Packard recommends having the printer’s Remote Firmware Update capability disabled; a number of LaserJet printers will require a further update before this option is available.

MPS: Who Can Get Out of the Hardware Business First? Xerox? or HP?

It was recently brought to my attention by a thought-leader of mine, Greg Walters of “The Death of the Copier”, that Xerox is launching a Global Campaign next week to Re-Brand themselves into a Business Process Management Company.

Their campaign will include Mr. Clean and Marriott Bellhops portraying Xerox as an Invoice Processing Provider.

A CMS Wire Article about Xerox’s attempt at Transformation indicates Xerox is swinging for the fences.

Of course, HP has seen the writing on the wall and has been actively trying to get out of the Hardware Business (PCs) for a couple of years now. At least they have been thinking about exiting.

I think the take away here is that if you are going about business as usual with regards to Say Copier Leases and the like, you may be in for a big surprise. Even the copier companies are preparing to join the buggy whip manufacturers and encyclopedia printers.

In 2012, it is time to innovate and transform your organization. Paper is great, I like it. But Solutions, Apps, Gadgets will replace the Devices that we have been using for years, as well as their processes.

You will need Printers and MFPs for a long time, but not at the same capacity. Document Management Solutions (DMS) can provide the platform for companies to bridge the gap. Paper-Less or Paperless is not just a buzzword, it is a coming reality.

Managed Print Services (MPS) will help organizations reduce costs as volumes decline, just don’t sign up for the pages you have been consuming in years past. You may get stuck paying for them and never using them.
