New wellness coordinator, Lauren Smee, is busy getting things ready for the annual spring Employee Health Fair. This year's fair will be on March 15th in the Curris Center. Please note the new location. There is also a new registration process for pre-fair blood draws and blood draws on that day. Email Username Changes - Users who still have the legacy firstname.lastname email addresses will have their accounts renamed on Monday, February 13th to match their myGate usernames. You will still receive email sent to your old address. If your address is being changed you will receive an email with more details. Remember, we will never ask for your email password or other sensitive account information via email. Email Account Rename

Most users have probably noticed by now that we have two email address formats on campus. Some users have an address that matches their myGate username - like jdoe - and some have a firstname.lastname format - like john.doe. This is the result of changes made over several years now to implement some of our enterprise systems for information. Over the past year, a huge effort has been made to consolidate usernames into one format...this effort continues in 2012.

On Monday, February 13th, Information Systems will update all remaining email addresses in the legacy firstname.lastname format to match the current myGate username structure. If your email address is currently in a firstname.lastname format it will change. Users affected by this transition will receive an email with additional instructions. If you already have an email address that matches your myGate username, you will not be affected by this process.

Here are some important things to remember:

· You will still receive email that is sent to your old email address.

· Your email password will not change.

New 2012 Wellness Incentive Packets Delivered

Did you notice the blue folder in your mailbox last week? Healthy Life incentive plan info has been delivered to full-time faculty and staff across campus. Employees are eligible for incentive dollars when they complete some or all of the plan requirements.

Step 1: Complete a Health Assessment at Anthem.com and receive $50 in a future paycheck. This part of the plan is only for self-assessment purposes and it totally confidential. You don't have to be participating in any kind of health plan to complete step 1. Step 2: Additional monetary rewards are available for those who complete goal-specific criteria. Navy, Silver and Gold plan criteria is included in your packet. Participants can qualify for $50, $100 or $150 rewards to be added to their paychecks.

Getting Started in Spring 2012

We want to welcome the students back on this first day of classes. We've been getting a lot of calls at the Helpdesk and we want to pass on a few of them and offer some possible solutions.

I can't log in to myGate. Be sure you've clicked on the Forgot Password link and tried to answer your secret questions. If your account is locked out or you can't remember the answers to your questions, then you will need to call the Helpdesk at (270) 809-2346 and choose option #1.

I'm in the dorm and I can't get connected to the internet. To access the Resnet network you will need to register through the Bradford system. Before you begin, make sure your anti-virus and anti-spyware software is up-to-date. You will also need to activate your MSUNET2K password in myGate by logging in on a campus computer using the username/password: murray/racers. Or if you connect using campus wireless, there is a link to myGate on the Bluesocket page. Find instructions here.

I changed my Blackboard password but I still can't log in. Make sure that your browser is using this url for the log-in page. http://blackboard.murraystate.edu Some users are getting a log-in page with a really long url and it isn't working. Blackboard support is working on this problem.

What's New in 2012

We have several things we'd like to highlight that are new this semester or that will be changing in the coming weeks.

Blackboard Outage/Upgrade: The Blackboard system will be down for a maintenance upgrade beginning Thursday, January 12th at noon. The system will be unavailable for up to 36 hours. A notice will be sent to faculty prior to the start of the upgrade and a second email sent to faculty when the system is back online. The upgrade will provide a few new features but is primarily to correct course copy issues and browser compatibility. We hope to highlight some of the new features in a future post.

Guest Wireless Changes: Campus wireless users who already have MSUNET2K accounts are strongly encouraged to use MSUSECURE or MSUWIRELESS for wireless access. Guest wireless is only to be used for visitors who do not already have credentials on our campus. Use of our guest wireless system by campus employees and current students creates some security and support issues. Guest wireless has a limited scope and may not allow campus users access to all of the services they may need.

New Computer Lock Policy: By default, all campus computers will now "lock" after 30 minutes of inactivity. This security measure is intended to protect against malicious users who might use a computer that has been left unattended to access information on our network. Computers that are running calculations or processing data should not be negatively affected by this policy and users can easily unlock their machine by pressing CTRL+ALT+DELETE and entering their password. We recommend all users lock their machines when stepping away or leaving for lunch. To lock your computer, press CTRL+ALT+DEL and choose "lock this computer" or use the shortcut by pressing the Windows key + L. If you experience problems with the new lock policy, please contact the Helpdesk at (270) 809-2346.

Electronic W-2 Forms: If you have not signed up to receive your W-2 electronically, please log in to myGate and follow instructions on the home tab. Do you want a printed W-2? If you do not consent to receiving your W-2 electronically, your printed W-2 will be delivered to the post office by January 31st.

Welcome 2012

There were plenty of phones ringing at the Helpdesk this morning to remind us that folks are returning to campus. It is still pretty quiet in terms of anything new coming down the line, but we had a few tips to throw your way on the first week of January.

Make sure you turn off any auto-responders you may have set over the break for your email account.
Check on voice mail greetings that may have been altered for the break and look for messages that may have been left for you. If you need help with your voice mail line we have instructions available in the Support site here.
As you reset your passwords in the coming weeks, be sure to choose passwords that are complex and hard for others to guess. Try not to use the names of pets, grandchildren or other closely related names or words. Always include numbers and special characters when possible and try to create a unique password each time you reset it.

We've put together a checklist of tech tips for the upcoming holiday. Some will not apply to everyone but we should have something important for every reader to remember.

Campus offices will close on December 16th at 4:30pm for the Christmas break. Offices will re-open on January 3rd at 8am. This includes Waterfield Library so if you need a book for Winter Term, hurry to the library this week. They are open 8-5pm until Friday, December 16th.
Taking a Winter Term class? Please make sure you can access Blackboard, the Library online and your RacerMail account before the break. The Helpdesk will have limited hours during the break. Phone support will be available Dec. 19-22 and 26-29 from 10am until 2pm each day. Please call (270) 809-2346.
Power down. Please make an effort to turn off computers, printers, fax machines and other office appliances before you leave for the break. Some buildings may lose power during the break and this will help insure your systems boot properly when you return.
Use caution when accessing the internet while you are traveling during this break. Remember that many "free" wifi hotspots are wide open. This means there are no security measures in place to protect your data that is traveling through the air. If you are making purchases with credit cards or checking bank balances, please try to use a secured wireless or wired connection.

RacerMail's New Look

Google is rolling out its new interface to RacerMail users. Because Google has so many servers in different locations, sometimes users see the changes hit their desktops over a period of time. Some in our office have the new look and some still have the old. We anticipate over the next few days that everyone will log-in to find the new interface.

Here are some important details about the changes.

Google has training available for the new interface. The all-new look has a whole site devoted to materials to help users make the transition. Visit the learning center at http://learn.googleapps.com/new-look
Some browsers will no longer be supported. Google has listed which browsers it will support with the new interface along with an on-going plan for browser support. Older browsers pose a security risk when they are no longer being updated by their makers and as technology changes, some features will be unavailable in older browsers. For best results we recommend Internet Explorer 8, Firefox 4 or higher and Safari 4 or higher. Like Doodle? You'll Love Suggested Times!

Scheduling meetings can be a hassle but Google has introduced a new feature to Calendar to make event planning easy. "Suggested Times" allows users to see times when all invited guests are free. Of course, the suggested times are based on calendar usage by the invited guests and will only be as accurate as the information that users have entered. Guests who haven't "shared" their calendar with others will not be accounted for in the availability.

To get started, create a calendar event in your RacerMail calendar, add guest email addresses and click Suggested times. The resulting list will include upcoming times where all participants are available. For example if you want to create an hour long meeting with Kara, and she already has an hour long meeting at 3pm, then times like 2pm and 4pm will be suggested. After you've added your guests and selected a time, you can send the calendar invite from the same screen when you save the event. Guests will receive an email allowing them to respond with the click of "Yes", "No" or "Maybe".

New Look and New Apps Coming to RacerMail

New Look - Google has been working on a new look for its wide range of applications. In the coming months you will see the new look applied to the RacerMail interface, including Docs, Spreadsheets and Calendar.

Here is what you need to know about the new look.

You can start using the new look now. For some services like Docs and Calendar, users have the option to "opt-in" to the new look. Under the settings cog icon you will see an option to "Try the new look". Once selected, the screen will show the new interface. Users can opt-out by selecting "Use the classic look" While some services offer an "opt-out" option now, eventually the changes will be permanent and system-wide.

We don't have an exact date for when Google will roll-out the new look, but it looks to be sometime in December. We will keep you updated as we know more.

New Apps - Google offers more than just mail. In addition to Calendar and Docs, Google Apps for Education also includes an ever growing list of additional services for @murraystate.edu email accounts. Beginning on November 21st, we will have some of these Apps available for your RacerMail account.

What does this mean? In the past, users who wanted to use a Google service like Blogger or Google Books, had to create a personal Gmail account to sign-in with. Now that those services are part of RacerMail, you can use your @murraystate.edu email account to access them. **Note: If you already have a personal Gmail account and you use these services, your settings and content will not be there when you log-in with your RacerMail account. This will be an additional account to use for student/employee-related activities if you choose to.

What Apps will be available for RacerMail? 3D Warehouse, FeedBurner, Google Analytics, Google Bookmarks, Google Books, Google Chrome Sync, Google Custom Search, Google Maps, Google News, Google Reader, iGoogle, Knol, Picasa Web Albums, YouTube, Blogger and possibly Sites.
Are there any issues with using a RacerMail account for Gmail services? Using your RacerMail account for class projects and collaboration will be ideal. Students who graduate or employees who leave the university should be aware that any content created with their @murraystate.edu account will be deleted when their account is terminated. Most Google services offer a way to migrate, download or share content created with another account later, but users will be responsible for managing and supporting their content. Users creating content for departments or colleges may want to use a departmental email account as the "owner" since these accounts are not deleted.
Where do I go for help with these additional Google services? Because of the many services being offered, the Helpdesk will not be able to offer detailed support for all services. Users are encouraged to take advantage of Google's excellent online help articles available at http://www.google.com/support/

Racers Are Recycling

This is a little out of our normal news category, but we are always looking for good ideas to pass on to our users. Did you know Murray State has its own recycling center? Not only can you use marked containers across campus to recycle things like bottles and office paper, but you can also bring recyclable materials from your home to MSU's recycling center on North 16th street.

As gas prices rise and trash disposal rates are increasing, this is a great low hassle, low cost alternative. It's like taking out the trash for free! You'll be amazed how much waste you throw away is recyclable. Not to mention the savings on garbage bags if you use reusable containers to gather your recycling.

Individuals may drop-off materials on the first Saturday of each month from 8am until Noon. The recycling center is located on North 16th Street between Campus Core and Sullivan's Golf Course. A sign next to the street indicates the next drop-off date and signs will direct drivers into the building's drive-thru area. MSU employees are present to help unload and properly organize materials and drop-off only takes a few minutes. Please have your items sorted when you arrive. The following items are accepted:

Aluminum

Paper and mixed paper

Carboard

Glass

Plastic

We know you may have other items you'd like to recycle that are not on the list. Here are some other places in town that offer recycling services. If you know of some we've missed, please comment on this post. There is also some great information on this website, Earth911.com. It has a search option and general information about recycling. If you have questions about MSU's recycling program, contact the Recycle Line at 809-3183.

Advisors, did you know you can use your Google Calendar to let students schedule office appointments for advising? Google allows you to designate a block of time for appointments and then anyone with an @murraystate.edu email account can schedule an appointment during that time. Got Tickets?

Registration for winter 2011 and spring 2012 classes will be here soon. Advanced scheduling begins on November 14th! Don't let a pesky parking ticket keep you from registering for your favorite class. Employees and students can pay parking tickets online through myGate.

Log in to myGate and look for the "Murray State Parking" logo. Click on it and find the link to "Outstanding Parking Citations". Any unpaid parking tickets you might have will be listed and instructions for paying them. If you have questions about parking tickets or registering a vehicle, contact Parking Management at (270) 809-4812.

More Mobile Alerts!

For those loyal blog readers out there, you already know about MSU's Mobile Alerts for emergencies on campus. You can sign-up for emergency mobile alerts from the Home tab in myGate. Make sure you respond to the confirmation message that you receive. In addition to MSU's alerts, our local television station in Paducah now offers mobile alerts too.

WPSD Local 6 has a service offering mobile alerts to your cell phone or email address. They offer 3 types of alerts - breaking news, breaking weather and area closings. Text message subscribers must have text-capable phones and the messages are subject to standard text-messaging rates. Users have a choice to sign-up for any of the three types of alerts and can customize the alerts by selecting to only receive information about certain counties. So for example, you might choose to receive messages about area closings and then customize it to only receive alerts when Murray State University is closed.

The sign-up process is fairly simple. Users will create an account on the website. After entering a cell phone number or email address, users will be asked to confirm their subscription by typing in a code they receive via text or email. Once the confirmation is complete, users can select which messages they would like to receive. Users can opt-out at any time by logging in to their account and selecting "unsubscribe".

Need to Update Your Address or Emergency Contact Info?

It is quick and easy to update your personal information in myGate. You'll find options for updating your billing, mailing and diploma addresses as well as your emergency contact info and marital status. If you've had some changes in your life recently or you just want to double-check your info, you can do it all from myGate.

Employees should go to the Employee tab in myGate. Students will update their info on the Academics tab. You'll find a link to change your Personal Information by clicking on the link titled, "Click here to log in to Self-Service Banner in the Self-Service Banner channel. Full instructions are in our Support Site under Changing Your Mailing Address or Telephone Number.

Finding People

Now that the semester seems to be settling in, we wanted to take a minute to point out some of the ways you can get contact info for individuals and departments on campus. Some of the resources are real-time and our print resources have just been updated with new changes from over the summer.

People Finder Online - The People Finder search box can be found at the bottom of myGate and RacerNet pages. You will also find a "Find People" link on the Murray State homepage and a link to "People Finder" on RacerNet's homepage.

Printable Directories - If you often find yourself "offline" and needing contact info, you may want to download or print our PDF versions of the directories. These can be downloaded at the People Finder website. Print versions are available for the Departmental Phone Listing and the Departmental Roster. Employee Directories are available upon request.

Is Your Information Incorrect? - Information in People Finder comes directly from myGate. Some office locations and office phone numbers do not automatically get updated when an employee moves offices. You can request an update to your information by calling Telecommunications at 4400 or filling out the request form online.

Need People Finder on Your Phone? iPhone, iPod and iPad users can download the MSU Racer Mobile app. This app gives you a directory look-up right on your phone. Get this app free in the iTunes store.

Places to Go Online

We've put together a list of new and not so new online campus services and sites that may be helpful to you as you work through this fall semester. We've also included a description. Check them out if you have time.

Helpdesk Support Site - Since we don't have a 24/7 Helpdesk, we've created a Support site with help articles that can be accessed and searched anytime. If you can't get through to the Helpdesk, give it a try. You can enter search terms or select a category to browse through. Here's a tip: If you get too many results in your first search, try using less terms. The site search there isn't like Google. Searching for "Transcript Request Form" will get you every article with the word "transcript", "request" or "form". Try just putting in "transcript" and you'll get a much smaller list.

MSU Parking Online - Now that many functions of Parking Management are online, you don't have to make a special trip to take care of outstanding parking tickets. This will be very helpful for those who find themselves needing to see grades or schedule but they have unpaid tickets. To check it out, log in to myGate and click on the MSU Parking logo. If you are a student, you'll find it on the Money tab. Employees should look for it on the Employee tab.

Renew Library Books Online - Another function that could save you a trip across campus (or a ticket if you are inclined to drive) is the ability to renew library books online. Renewing online is only available once for each item you have checked out but it will buy you some time with the due date is approaching.

Be Prepared - Get Your Mobile Alerts

In preparation for fall weather patterns and potential severe weather, Calloway county will be testing its Emergency Notification Systems on Friday, September 2nd. Murray State will also be participating in this test. We will be testing alerts through our phone system, outdoor sirens, digital signage, mobile alert system and Facebook.

If you'd like to test mobile alerts to your phone during this county-wide test, you'll need to sign-up.

Go to myGate and click on the Home tab.
Enter your phone number in the Mobile Alerts box and submit.
You'll receive a confirmation email within 24 hours.
You MUST reply "Y" to the confirmation to receive future messages.

What's New?

Now that classes are back in session, I thought we'd highlight some things that may be new news to you.

Blackboard Usernames Changed - For those users who had old format usernames like john.doe, those usernames changed last week to match your myGate username (ex. jdoe12). You should still use your same password, just log in with the new username.

New Parking System Online - The Parking Management office brought a new system online this summer. Students and Employees can register their vehicles, add additional vehicles and pay tickets online in myGate. Students go to the Money tab and employees use the Employee tab. You will still need to pick up your permit at Public Safety with a photo id but all other details are now handled online.

Bigger RacerMail Boxes - Google recently increased the size of our RacerMail accounts from 7 GB to 25 GB. I would imagine most of us already had plenty of room, but the added space is a nice perk!

MSU Today Website - University Communications recently launched a new website for news. You can check it out at http://msutoday.murraystate.net

Library Updates - The reference area in the library has some new updates since last semester. You'll notice new carpet, tables and chairs just to name a few. See the photos below and go by for a closer look.

Wow! Over the summer we've seen a lot of movement on campus. It seems like several offices have moved or renovated their spaces during the break. We want to make sure everyone is aware of the changes that have taken place so we don't send students running around in circles! We've listed the changes we know about below along with some other important student service offices. If you know of other changes, please comment on this post.

Counseling and Testing Center - moved from Ordway Hall to 104 Oakley Applied Science

Financial Aid and Scholarships - currently on the 5th floor of Sparks Hall

Registration - currently 1st floor Sparks Hall, moving this fall to the basement of Sparks Hall

Glad you asked. You will notice in the coming weeks many changes to how vehicles are registered, permits are obtained and tickets are paid. We have a new parking system and it is ONLINE!

Beginning this fall, all students and employees will register their vehicle(s) online through myGate. The new parking system will also allow users to view, pay and eventually appeal tickets online in an easy to use interface. This new system will speed up and simplify the permit process by allowing users to pre-register their vehicles before coming to pick up their permit.

Google Just Got Bigger

At the onset, one of the benefits of using Google Apps for Education for our RacerMail was the much larger mailbox size. With our old mail system, users had about 5 Megabytes for email. That's not much. Google boasted an amazing 7 GB mailbox size with promises that it would always be expanding. Well, they've made good on their promise.

Just in the past few weeks, Google has upgraded most of its Google Apps for Education users from 7 Gigabytes of storage to 25 GB. Although most users aren't in danger of running out of space, this is a nice addition as we begin to see the use of Google services grow on campus. Enjoy your new found space!
