Of course the clean interface sometimes leaves me hunting for the old menu options to configure the browser the way I desire. While you can always right click on the top of Internet Explorer to choose your toolbars, including the Menu Bar, a faster shortcut is to simply hit the [Alt] key. This will allow you to temporarily display the traditional menu to quickly get at the options.

Psychology Today recently had an article called 10 Tips to Beat Clutter in 5 Minutes what provided great times to de-cluttering and removing stress from your life. I am always amazed at how many people don’t understand the importance of removing distractions when looking to become more effective and clutter is one of the largest distractions you will have.

The list in Psychology today included the following:

1. Make your bed.

2. Get rid of the newspaper each night.

3. Follow the “one-minute rule” to push yourself to do any chore that takes less than one minute.

4. Identify a place or person to whom you can give things you no longer need and decide where to store them until you hand them over.

5. Be very cautious about letting yourself “store” something.

6. Beware of freebies. Never accept anything free, unless you’re thrilled with it.

7. Get rid of things if they break.

8. Don’t keep any piece of paper unless you know that you actually need it.

9. Hang up your coat.

10. Before you go to bed, take five minutes to do an “evening tidy-up.”

I would add the following tips:

11. Plan ahead for any stored files so you know when and how they will be disposed of. When the files are no longer needed it will take almost no time to eliminate them if you plan ahead.

12. Sort your postal mail as soon as it arrives and immediately dispose of any junk mail or advertisements you don’t need. Doing this you not need to look at the additional items more than one time.

13. If possible pay bills when they arrive, or even before. By scheduling payments on-line for your most frequent bills you can immediately file any hard copies when they arrive after a brief review of the balances.

14. Follow a one touch rule that if you touch an item you need to take immediate action on the item. It is amazing how few things take less than 5 minutes if you don’t put them off for another day.

15. If possible go paperless with your bills. Most credit card companies and utilities will allow you to receive e-mail notices of balances and provide online access to statements. This will remove the paper clutter entirely from your home and if you trust your service provider to maintain your statements online you don’t need to store the electronic files either.

16. Avoid creating bills or consolidate the ones you have to minimize the distractions of having numerous statements to review and payments to make.

17. Do more frequent and smaller loads of laundry. While this may be pushing the 5 minute limits a little but starting a small load of laundry, folding it, and putting it away is far less daunting than doing laundry once per week.

18. The same goes for dishes. Doing dishes after each meal keeps the task more manageable and eliminates the stress of clutter in the sink.

As a general rule if you want to eliminate clutter you need to minimize what comes in, act on items as soon as you become aware of them, and plan ahead for how you will handle what is coming.

Time Management Ninja has an article entitled 5 Ways to Time Manage your Commute where they offer the suggestions to:

As a person who would commute between one and three hours one way each day in the past I have tried four of the five. While time shifting is often effective, and skipping the commute is an option for some times but not always, the main thing I have focused on was how I could make use of my commute to be more effective.

With a little planning it is easy to make even a three hour commute go quickly and be productive.

Below are eight suggestions on how to use your time more effectively during your commute:

Disclaimer: Always use hands free and pay attention to the road conditions. Many of the suggestions only work if you are carpooling or sitting in stopped traffic (like I do crossing from Mexico to the US). Use common sense, be safe, and don’t text or read and drive!

1. If you work with people in multiple time zones commute time may be ideal for follow-up calls. I live in the Central Time Zone so I use my morning commute to follow-up with co-workers on the east coast and I use my evening commute to follow-up with co-workers on in the Mountain and Pacific Time zones.
2. Listening to books on tape or MP3s are a great way to stay up to date on the latest books when you have a lot of windshield time. I have tried to take it a step further and tested a product called Text2Go that allowed me to convert volumes of written documents for work into MP3 files so I could listen to long e-mails and proposals on my commute. Both are effective uses of time but I certainly find that it is more effective to catch up on work that needs to get done anyway.
3. Print material for the commute that you can read and edit along the way. This is especially effective if you are carpooling or know you will be stopped for a larger portion of the commute.
4. Purchase an e-reader (affiliate link to Kindle on Amazon) and load it up with books and personal documents or use your smartphone of choice with the free Kindle application. Kindle is just one example of these types of devices but I am of the opinion they are all well worth the investment for a road warrior.
5. “Reach our an touch someone” was a tagline used but AT&T during the 1980′s but the idea remains very alive today—the commute time could be a great time to call friends and family and reconnect. Sometimes reinforces your personal relationships will be more effective than getting work done.
6. Consider personal errands that may be portable, like offline bill paying, getting insurance quotes or even negotiating the purchase of a car! I actually lined up test drives, preapproved financing, and effectively completed most of the purchase paperwork via telephone when I was in the market for a car. Compared to an in person purchase a couple years later it took less than half the time to complete the purchase because I was able to have the dealer do all the leg work and haggling over the phone before I would even step foot in their store. I consider this type of use of my time doubly effective!
7. If your commute will often be done on a mass transit or carpooling consider purchasing a data plan that allows you to tether your phone (my personal preference) or a data card to allow you to get online during the commute time. Having easy access to online resources may actually allow you to work shift your way into making your commute as effective as your time in the office.
8. If you are carpooling consider doing so with workmates that you are frequently working on projects with. You can use the time to do opening or closing meetings am make each of your time more effective.

With a little ingenuity and understanding of the tasks you need to complete you can turn your commute from a time sink into productive time.

It has been my experience that when you start working with the Getting Things Done method, or any new execution system, it becomes overwhelming how much you need to do. I have 5 suggestions to break though the challenge and get things done.

1. Do the obvious priorities.
   

   If your list contains some obvious priorities tackle them first so they are not waiting for you to get back to them—you don’t want a task like “Fill my sons prescription” to get lost in the mix of your other tasks. There will be some obvious priorities in any task list that can be done quickly to completions.
   

2. Do Something!
   

   One of the biggest challenges that you will face when confronted with a large task list is “analysis paralysis.” If you stop all other action to review your list you’re not doing the important work that needs to get done. As a short terms solution JUST DO SOMETHING! Taking action is about velocity, if you get movement in the right direction you will see your list become shorter with each action and create clarity about your next action. If you wait to identify the perfect next step you will spend a lot of time waiting.

3. Break down the BIG stuff.
   

   If you task list contains things like “Send a manned mission to Mars” they task is too big to accomplish. Don’t fool yourself into thinking you can accomplish this task because there are likely a million small tasks that this is burying. You need to break the Mars mission down into task like “Take Rocket Science 101″, “Get Rocket Fuel“, “Hire a brilliant staff!” etc. Once the big stuff is in reasonable pieces it’s less overwhelming and supports accomplishment.
   

4. Get Advice.
   

   If nothing jumps out as a priority and you have already broken down the tasks ask for advice regarding what is most important. A boss, a colleague, a customer, a stranger, a bartender, or really anybody could all help add some clarity to your task list. This is especially useful if you have a couple of people you have commitments to because they will usually be able to tell you their top priority, which will usually become your top priority. Even if you get bad advice and do the opposite the advice will at least give you some perspective and insight to improve your own decision making.

5. Remember the tasks were always there, you have added clarity.
   

   Make this your mantra. When you start a new execution system you are bringing order to chaos and often getting the first real view of your commitments. You have always been busy; you just didn’t know how busy you were. Seeing everything in one place finally gives you some hope of ensuring you are getting the right things done rather than just wasted action.

If you are a blogger or a webmaster who is looking to increase your sites relevance in the top search engines by stuffing comments with links to your blog there is one simple fact—you’re barking up the wrong tree!

While there are a lot of misconceptions about how the spiders, which are at the heart to search engines work (video by Google) there is one simple truth that is often over looked: webmasters can control where they don’t want a search engine to look. First most engines reference a robots.txt file which can contain rules about where search engines should not go, and most search engines will respect the file to improve their own efficiency. Next embedded within an anchor tag there is a relationship attribute (designated as “rel=“) that allows a webmaster to identify a link as external and to indicate “nofollow” for a search engine. While this isn’t necessarily a problem comments on nearly all popular blog software contain nofollow link rather than traditional links, which means that all popular search engines will ignore the links in comments for the purpose of identifying link popularity and link relevance.

This feature was actually implemented specifically to reduce the impact of spam on blogs because spammers could “stuff” blogs with links and falsely increase their popularity.

So this raises an important question: What is the value of leaving blog comments?

Once you get beyond the technical reason why leaving comments to game Google doesn’t work the obvious answer emerges—to participate in a community. Leaving comments and relevant links helps the blogger and the other commenters to find other interesting and relevant information. Since you are discouraged from posting irrelevant information as a blogger who is participating the community you gain the opportunity to gain “natural readership” but proposing value before the guest arrive.

I compare this to a mechanic overhearing individuals talking about a squeak on the front passenger tire and offering to explain the possible causes of the problem then concluding the conversation with saying, “By the way, we can schedule an appointment to take a closer look if you would like.” Value was added before a sale was made—just like a bloggers participation in the community.

Don’t look for blog comments to be a one way interaction to get you what you are looking for—more visitors—rather look at them as an opportunity to improve the collective community and enhance what you can bring to the relationship.

Given the fact that I don’t need the cards at a regular frequency and the number on the card is the most important feature I decided to choose an electronic method of storing it so I could carry it with me on my smart phone. To make it easy I decided to use the “Notes” feature of Outlook because they sync with my Blackberry to the “Memo” section. This will ensure I have it in my phone, which I am rarely without and never without when traveling, and it also ensures I have a backup on my corporate network and laptop.

While my form matches the function I was looking for you could also use an only document (such as Google Docs) or print a laminate a single card to replace the multiple cards you would eliminate.

According to “How David Allen organizes his tasks” he maintains his next actions in Lotus Notes as To-Do category with a simple category that defines the context like “Projects”, “Calls”, “At Computer”, etc.

This process is similar to the quick steps I use to organize my tasks using Outlook 2010 and earlier versions.

I follow three easy steps to get new items from my in-box onto my task list.

1. Flag the message for follow-up, which moves it to the To Do list (a consolidation of task and flagged items).
2. Categorize the e-mail with a context that is relevant. I use @Phone, @Project, @To Approve, @person name (in particular I use this to identify tasks I have delegated for follow-up during review meetings).
3. Move the items to a follow-up folder to avoid cluttering my in-box. This is an important step and with Outlook the software will show all flagged items in the to-do list regardless of the location.

While these three steps may seem too involved to be efficient I have used macros in Outlook 2007 to accomplish these tasks and Quick Steps in Outlook 2010 to make most sorting “one click”.

After I have the messages sorted I can use the To-Do list to execute based on deadline and context to constantly keep the balls in the air.

One of the biggest challenges I seem to face when dealing with customers and suppliers is coordinating our schedules for meetings. As a Microsoft Outlook and Exchange user this challenges is inherently easier to overcome by using the Schedule assistant and “Free/Busy” tools.

I use Google Sync to overcome this challenge by synchronizing my work calendar with a calendar on my personal Gmail account. I can then publish the HTML address of this calendar to any contacts I may need to coordinate to provide them my schedule. Since I don’t explicitly provide access to the calendar my contact will only see a view of my free and busy time to allow them to schedule meeting times.

I have found that making my calendar available eliminates numerous e-mail exchanges to synchronize times, especially when there are multiple people involved in a meeting.

Seth Godin made a simply but insightful observation that if more people took responsibility at work rather than seeking authority more would get done.

I have managed quite a few people over the past couple years and over time I have been told, “I could do more if you I was a manager.” Or, “I don’t have the authority to discipline people to make them do what needs to get done.” The reality is they seem to misunderstand the correlation or responsibility and authority—by become an authority by becoming responsible not the other way around.

In my years in business there is one common thing I have noticed, problems are begging for somebody to solve them. In most organizations people turn tail and run from the real problems and people who are looking to become leaders in the organization simply need to recognize a problem and take responsibility for solving the problem. The result will likely be that the person solving the problem will become a technical authority in the problem area and with a history of being a problem solver they will also become a sought after resource in the organization.

Responsibility begets authority—get off your ass and take responsibility.

I have spent quite a bit of effort honing my skills to make sure that I get things done and more importantly get the right things done but one of the great equalizers seems to be the e-mail in box.

I have found a couple great blog post that are worthy of sharing as well as some links to my past posts to get the Inbox back in order:

By sorting by conversation Outlook displays your e-mail sorting the most recently discussed topics first (essentially a trending topic view) but then collapses older related e-mail messages based on subject underneath the most recent. This allows me to review only the most recent on the topic before moving the entire group to my reference folder using a Quick Step button. As you can see from the graphic, I am able to minimize the number of messages I need to look at before filing them to the appropriate location.

Using this tool has made sorting and addressing e-mail significantly faster because I have found that it can reduce the number of messages I need to review by 50% or more based on the fact that many e-mails arriving are part of a larger conversation.

To be clear, this solution doesn’t allow net metering (the practice of selling power back to the power company when you produce more than your needs) but rather it is intended to offset your power bill by generating some of the power you consume from renewable sources.

Unlike the larger roof based systems most buyers are aware of, which cost $20,000 to $30,000 the Clarian’s target price point will be about $600 to $800, which can be offset by tax credits just like the roof based system and an expected pay back in four years or less.

The base model with a single panel, the expected energy production is 30 to 40 kilowatt hours, which is enough to light an average home using high efficiency light bulbs.

While this isn’t a solution to power your entire home with renewable energy given the ease of installation and portability for renters this appears to be a reasonable solution to make local renewable energy more mainstream.

This morning when booting my Windows 7 computer I was greeted an error stating: “The server is not responding properly. Verify that the Credential Manager server is properly installed on the target server” when trying to log in. Interestingly this we not the first time I had see the problem since a co-worker was having the exact same issue late the day before; unfortunately I abandoned him before I found out how he resolved the issue.

Upon searching the web I found that this problem is related to the security software installed by the OEM that, among other things, provides the biometric security and manages the “key ring” of stored credentials (i.e. user names and passwords).

Most articles and resolution talked about logging into the computer in safe mode to bypass the credential managers but there is a slightly easier method I found on my Windows 7 computer.

The first thing I did at the login screen was to choose the option to “Swipe finger to log on”, of course this didn’t work since the Credential Manager was not responding but within this screen there is an option that says “Log on with Wizard…” in fine print at the bottom of the screen.

Within the Wizard screen you will see a box with your user name, domain and password but you are looking for a “More…” option in the lower left hand corner of the screen, which upon selecting gives a drop-down menu with an check box stating “Do no lot onto the Credential Manager”.

Upon selecting the option to bypass the Credential Manager I was able to type my user name and password to get into Windows.

While some of the horror stories I read went into grave detail about disabling the software, which I considered, but when I decided to document the resolution steps for my co-workers I rebooted the computer and the problem didn’t reoccur. The only repair actions I took in between logging in and rebooting was going into the Credential Manager to see if there were any readily available options to disable the software if I needed to.

At this time I am leaving the Credential Manager software running since I have discovered how to bypass the “Verify that the Credential Manager server is properly installed on the target server” error and will take more aggressive steps to disable the software if the problem becomes more than an intermittent issue.

I am interested in knowing if this resolved my readers issue and if it didn’t what scenarios may be contributing to the fact that this didn’t resolve the problem.

I have been using LinkedIn for a number of years to stay in touch with my business and social contact. While I actively use the site I found that it is easier to monitor the network activity on the site from my favorite RSS reader and see when my contact make a link to somebody I already know.

To activate the feature you simply need to click on the orange RSS icon to the right of “Network Activity” on your LinkedIn home page. From there you will be taken to the configuration screen which provides the URL for your RSS feed.

Once the feature is enabled you will be able to monitor all network activity, the most important of which is when your contacts connect with a new contact. You can simple click on the new contact and request a connection as well. This has been particularly effective as an early adopter because I am not seen a larger number of my former co-workers and business contacts join the site and I get notice as soon as a mutual contact finds them.
