My perception was that their comments were not just polite gestures, but heartfelt acknowledgement of our preparations and other efforts. We did spend quite a number of hours/days/weeks/months planning and preparing and in the end, in spite of the weather; the event (in my humble opinion) was a grand success. I was extremely pleased to see the Rock Hall Fire Company and the Coast Guard presence; and even more pleased that neither were needed for more than the feeling of security that their presence provided.  I was also extremely pleased to see our neighbors and the numerous sponsors from our community that pitched in.  In the end though, the absolute most enjoyment that I received was the outpouring of assistance from our diverse membership and friends. Seeing all of our members working together to make this such a memorable event for the young sailors was huge in my eyes; and none if it could have been done by just a few people, no matter how much time they put in. So, for that, although there are a few that spent a bit more time, I thank all of you that gave what you were able to. As some of you may know, I have never been a fan of “exclusivity” as it relates to Rock Hall Yacht Club.  The roots of this club in its earlier years were fed by the hard work of what was a very close community. Food: Dan received formal contract from It’s the Pitts. Price for participant or family meals to RHYC is $8. They will be catering the One Design regatta in advance of JOs as a trial run. Dan, Cathy, and Connie met with the Lions Club. Contract is pending, but they are set. Chester River Seafood is set, but contract pending. In addition to vegetarian selection (by It’s the Pitts) need to request a Kosher option too. Agreed that a “kid friendly” meal will be offered Friday night that for those participants and their family that come for the clinic, movie, and registration.&lt;br /&gt;
&lt;br /&gt;
Awards: Beth showed everyone the metals, certificates, and examples of special awards. Forms for the sportsmanship award will be included in the registration bags. Wanda will introduce the concept at the opening ceremony. PRO and on the water team should nominate candidates for sportsmanship, best dressed, etc. In addition, Carolyn, Denise, &amp;amp; Marcia are good on-land candidates for nominating. Chip/John are responsible for nominating candidates for best boat keeping.&lt;br /&gt;
&lt;br /&gt;
Grounds: Chip reviewed a draft of grounds layout. Discussed parking in detail. Minimally he needs 8 volunteers to assist. After parking these folks will move to the beach head to assist with launching boats. YC is securing 2 way radios (need batteries). Langford Bay has agreed to offer overflow parking. They also have a shuttle that can be used to go into town, but that it will be scheduled around their needs. We need our own shuttle service.&lt;br /&gt;
&lt;br /&gt;
Volunteers: Rick highlighted that there still is sub-committees that owe him requirements. In addition, all background people should be noted on his list as this can be used as a master list to thank people.&lt;br /&gt;

As you may or may not know, Kent County has made the decision to terminate their curbside recycling program. For the event and for our normal club activities from here forward, we will need to collect, sort (glass, plastic, aluminum) and haul the recycling to the Nicholson Transfer Station.  This is a decision we will need to make as a group to identify whether we think it is feasible to recycle.  Clearly I would be extremely dissapointed if we did not recycle.  The challenge lies with who will do the sorting and hauling.  The county does not have any “corrugated” containers but does have large numbers of the small “green plastic containers;” and they are pleased to allow us use of however many of those containers we need or want. &lt;br /&gt;&lt;br /&gt;Although they are appropriately sized for easy sorting of the contents, for the sake of this or any event, the green containers are not large enough to be useful in my opinion.  Although we could station 6 or eight of them side by side at any location, I anticipate that they may result in a mess to clean up.  Perhaps this is one more task for Aparecio (Laborer) and company to tend to  during the continuous circuit through the site.  We could also request some volunteers to help with sorting recycling after the event.  If we did that, we may actually find a place that will pay even a small amount for the recycling as opposed to dropping it off at the county facility.  I will follow up on other options for recouping perhaps a small amount of the cost with recycling vendors.&lt;br /&gt;&lt;br /&gt;As a group, we need to make the following decisions:&lt;br /&gt;A:  Manpower&lt;br /&gt;1.  Use paid labor (Aparecio and company) to collect recycling from containers during the regular circuit through the site and sort into larger containers to be ready for hauling.&lt;br /&gt;2.  Request volunteers to tend to collect and sort during the event&lt;br /&gt;3.  Do not recycle at all.&lt;br /&gt;&lt;br /&gt;B: Containers&lt;br /&gt;1.  Purshase larger pre-labeled and recognizable recycling containers&lt;br /&gt;2.  Make our own recycling containers by purchasing large plastic trash cans; cutting holes in the tops and labeling them for recycling.&lt;br /&gt;3. Also, what do you think of a schedule for the evening that includes the rules seminar first followed by the movie that Sailing Emporium is hosting at the club(along with ice cream).  We&#39;ll need it to be dark for the outdoor movie anyway. The most convenient and economical approach I found, is through Kent County Parks and Recreation.   Training is broken into two sessions with the CPR session in the morning, (This includes introduction to the AED) and the First Aid Session in the afternoon. You can attend any one of the three sessions which are held the &quot;3rd Saturday of January, February, and March. &lt;br /&gt;&lt;br /&gt;If you are attending both sessions, it is from 9:00 to 3:00.  You are welcome to attend one session one week and the other on another week if you don&#39;t want to dedicate one full day, but there is only the three sessions planned for now.&lt;br /&gt;&lt;br /&gt;The cost for each session is $20.00, so if you plan to attend both First Aid and CPR, the cost would be $40.00. Rental fee is $1900.  Price includes tables, chairs, linens, &amp; lights.  Team agreed that linens are not required.  We learned that David &amp; Bonnie will be getting married the week before and perhaps there is an opportunity to negotiate a reduced price on the tent as only one setup and takedown will be required.  Bonny also highlighted that she’ll be purchasing lights for inside the tent and around the club.&lt;br /&gt;- Children’s meals for the entire weekend will be included with their registration.  They will be given a tyvec wristband to confirm their participation.  A portion of that can be turned in by vendors for payment.&lt;br /&gt;- Parents will also have the option to reserve dinners on-line, and they too will be provided a tyvec wristband.  If they choose not to, they can pay as they go.&lt;br /&gt;- We will use Lion’s Club to provide hamburgers and hot dogs on Sunday before the awards as well.&lt;br /&gt;- Goal is to feed volunteers throughout the weekend, but need confirm this fits within the budget.&lt;br /&gt;- Near term actions:&lt;br /&gt;• contact vendor to confirm cost for dinners and what exactly will be included in that price (target = $8 - $10)&lt;br /&gt;• confirm Lion’s club is on board for the entire weekend&lt;br /&gt;• confirm electrical power requirements&lt;br /&gt;• Fun &amp; Rain Delay Events:   Amber&lt;br /&gt;- Amber had contacted a local DJ, but he requires that the event rent the necessary equipment.  Due to this, Amber decided to go with a professional organization.&lt;br /&gt;- She contacted A+ DJs, they cover the Eastern Shore area.  Their rate is $425 for 4 hours.  Amber feels that this can be negotiated to lower rate.  &lt;br /&gt;- Need to ensure that kids can make requests&lt;br /&gt;- She is also thinking of a pirate or sailing treasure hunt.  &lt;br /&gt;- There are several sailing opportunities outside of the racing circuits.  This represents an excellent opportunity for children to learn more about sailing/boating:&lt;br /&gt;• Board sailing – ideally they will have their own circuit if &gt; 15 are registered, but if not coordinating demo sails after racing is complete&lt;br /&gt;• Catermans - ditto&lt;br /&gt;• Kayaks – see under sponsorship&lt;br /&gt;• Topaz – bringing boats for demo-ing.&lt;br /&gt;• Sponsorship:  Carol  and Ursula&lt;br /&gt;- Carol and Ursala have canvassed Chestertown &amp; RH for sponsors.  So far the following have contributed:&lt;br /&gt;• Sailing Emporium:  Sponsor Friday Movie Night, ice cream truck on 9th &amp; 10th&lt;br /&gt;• Haven Harbor Marina - $500 (Gold Sponsor), plus they have 2 boats with crews that can be used for racing committee.  Additionally, they are detailing information about the JO in the monthly newsletter that is sent to all slip holders.&lt;br /&gt;• Dockside Emporium:  will donate 3-4 items for door prices&lt;br /&gt;• Book Plate – donated 4 sailing books&lt;br /&gt;• Gratitude - $500 (gold sponsor)&lt;br /&gt;• West Marine – requested lanyards, water bottles, and door prizes.  They will put stuff aside throughout the year.&lt;br /&gt;• Langford Bay - $50 (Bronze Sponsor)&lt;br /&gt;• Chester River Kayaks – t-shirts for doorprizes, plus they will be on-site for kayak trials throughout the weekend&lt;br /&gt;• Linda Simss – book marks&lt;br /&gt;• Coca-Cola has offered banners for signage and several cases of coke to sell throughout the event.  Wanda will follow-up with them.&lt;br /&gt;- We should talk up JOs to all businesses we purchase from.  In some instances, it may make sense&lt;br /&gt;• Race Committee:   Chuck Parry&lt;br /&gt;- Chuck shared an organized planning worksheet for each course.  Information detailed boats, PRO, volunteers, required equipment, and course.&lt;br /&gt;• Safety:   Chuck&lt;br /&gt;- Chuck handed out a safety plan for the JOs that covered contestants, facilities, staff, water, shoreside, and emergency management.  &lt;br /&gt;- Suggest getting the EMT and Emergency people on-site a few weeks before hand to familiarize them with the layout&lt;br /&gt;- Need a safety person assigned to each fleet&lt;br /&gt;- Contestants will need to buddy up with another sailor to ensure everyone safely returns to shore.&lt;br /&gt;• Awards:  Beth &amp; Amy&lt;br /&gt;• Housing:  Annette&lt;br /&gt;- Denise has mentioned the JOs to the Bayshore Campground.  They might be better equipped for larger campers and overflow from the RH grounds&lt;br /&gt;&lt;br /&gt;Committee’s That Need Staffing (Slide 5)&lt;br /&gt;• Registration:  Denise Tontarski has volunteered to run this committee!
