How to set your color printer to print in black and white.

Let's face it. It costs at least four times more to print in color than black. One way to save money is to limit your color printing by setting your printer to black and white only. Although it varies by printer manufacturer and model, the steps are generally the same.

Since this feature is controlled by the printer driver, you'll have to make the changes at each computer, unless the driver is installed on a server. We're assuming your printer driver is installed on each computer.

Windows 7:

Open Devices and Printers by clicking the Start button Picture of the Start button, and then, on the Start menu, clicking Devices and Printers.
Right-click the printer that you want to use, and then click Printing preferences.
Click the Color tab.
Under Color Options, check the box next to Print in Grayscale.
Click apply, and then click OK.

Window 8 should be similar:

Press the Windows key on the keyboard to open the search bar.
Type Printer in the search bar and press enter/return.
Click on Devices and Printers.
From there, it should be similar to above steps (Windows 7).

When you want to print in color:

Open the document to print.
Either click File, Print or type CTRL + P to open the print dialogue box.
Click Preferences.
Click the Color tab.
Under Color Options, check the box next to Print in Grayscale.
Click OK.
Then Print.

Email question about data security in an old copier.

Good Morning Andy,

As you may or may not have seen during your visits to our company, we have a very large, older printer/copier/scanner/fax machine. We do not use it and it is just collecting dust. My boss is wanting to sell it, but is worried about any data saved to the memory and would like the data wiped. So, for the questions, does your company provide a service that wipes data from older or unused machines? If you do, how much would such a service cost? If you do not, can you recommend someone trustworthy whom I may get in contact with? Last question. Once I have had the data wiped on the copier, would you company be interested in buying it from us?

Sara,

Thank you for contacting me about this. Security in copiers and multifunction devices is a hot topic. It is a very real threat. Digital copies of scanned or copied images are stored on the hard drives of most of these devices. The best and most complete method to eliminate the threat is to remove the hard drive from the device. Then, to make the device functional again, it would be necessary to install a new hard drive.

Is it worth it?
That depends on the particular device you have. What brand and model is it? How many pages are on its meter (think of the odometer in your car)? At best, you might get wholesale price for the sale of your old copier. There are a few outlets that might be interested. At Southeastern Laser, we sell mostly new equipment and a few, if not rare, used pieces usually limited to HP and Xerox brands. On occasion, we have sold refurbished Lexmark and Canon devices, too.

Bottom line
I recommend removal of the hard drive from your old copier. We can handle that for you at a charge of $150. Then, we can contact our outlets to see if anyone would be interested in buying it from you, as is. If not, we can take the copier to a local recycle center for you.

Do you print more than 150 color pages per month?

It may surprise you at how much cheaper it is to buy and use a more expensive laser printer.

We compared two Hewlett Packard color laser printers:

The chart below shows the break even point between these two printers is around 7,000 printed pages. After printing 7,000 pages on the HP CP4025, you should still be on the original set of toners. As usage goes up, so do the savings.

How long do you plan to own your printer?
Let's say you're about average and will get four years out of your next printer. Do you think you will print more than 7,000 pages in four years, or about 150 pages per month on average? Of so, then the more expensive printer in our example would cost less to own and operate over that period.

Farewell to an old friend; The HP P2055 printer.

Sad News

HP Discontinues P2055 series.

I knew this day would eventually arrive. Without any fanfare, HP removed the LaserJet P2055 printer series from its website. It saddened me.

For the past few years, the P2055 printers have been one of my favorites to recommend. I have rehearsed over and over the benefits of the this printer compared to many of the cheaper models. The P2055 is the lowest priced black and white HP printer with an LCD display. The display spells out in English what your printer needs, like paper or toner. The toner cartridges for the P2055 are a bargain. At $109 and yielding up to 6500 pages, the cost per page is only $0.0168.

I don't know much about the new replacement series, the HP M401dn and M401dw. They look fine, but we simply have not had the opportunity to review any yet. The toner is only available as new HP brand, which is more expensive than the P2055.

But there is hope after all. We can still get the HP P2055 printers as factory refurbished. This is great news because factory refurbs carry a full one year HP warranty. With a price of $299, I'll still recommend the P2055dn, while supplies last.

Printer shuts down for one empty color?

Answer:

From HP, "HP Officejet Pro 8600 e-AiO will continue to print black even if one of the colored cartridge is empty."
From Canon, "Canon offers a huge benefit over our competitors with Pure Black technology. What this feature does is when printing the color black (text for example) on any of our color models the printer is not using any of the colors in the print. 3 Times to Save on Printing Costs

Everyone loves to get the best bang for their buck, but have you ever thought about ways to get a longer life out of your printer cartridges?

On any given day, you have three opportunities to save money on your printing costs: When you create a document; when you print a document; and during routine maintenance of your printer.

Try these simple tips to milk your cartridges for all they’re worth.

When Creating a Document

Use smaller font sizes and you’ll use less ink. For most fonts, an 11-point or 12-point font is sufficient for regular, daily purposes.
Don’t over-use the “bold” function or choose “thick” fonts. Century Gothic, Times Roman and Calibri are good examples.
Read, re-read and read again before printing. Proofing on your screen saves hard copy errors.
Go the route of digital photos and consider not printing at all! Sometimes a digital file is sufficient, or even preferable, to a hard copy.
There is special software available for purchase (such as ecofont) that purports to save up to 50% in printing costs.

When Printing

Catch errors in advance by viewing printer output before you print. Choose “print preview” and take the extra few minutes to re-read your document before committing it to paper.
Consider printing in “draft” or “grayscale” modes for routine, everyday documents.
Duplex or combine multiple pages into one page (saves on paper).

During Routine Maintenance

If you get a low-toner message or start to see streaks on your printouts, there is likely still toner left in the cartridge. Simply remove it from the printer and gently rock it from side to side several times (do not shake!). You will likely be able to eke out a few more pages before having to change your cartridge.
Beware the dreaded clogged nozzles! Before assuming your printer has stopped because of a bad or empty cartridge, run a nozzle check or remove the cartridge(s) from the printer, gently wipe it with a damp cloth, then reinstall and re-try.

Xerox Driver Issue with Mac O/S X 10.7.x Update

We received some new information from Xerox regarding the solution to the problems printing to Xerox printers from Apple computers.

As noted in our previous post, many people are experiencing strange problems or annoying messages after updating to Mac OS X 10.7.2. We have heard from users of Xerox Phaser printers series 6000, 7000 and 8000, including Phaser 6360, 7760 and 8570. Troubles reported so far include false consumable messages, the inability to print multiple copies and the inability to select paper trays.

According to Xerox tech support, Xerox is working on fixing these problems in the printer driver. Previously, we thought the solution would come from Apple, but that is not correct. The solution will come from Xerox via the driver. The current driver which is available on the Xerox support site for Mac OSX 10.7 is version 2.0.9, dated August 19 2011. We recommend watching this site for an updated version of the driver.

In the mean time, work around solutions include ignoring the annoying false messages and saving files in .pdf format. We will be happy to help users who are having trouble with Xerox Phaser printers.

Why does my Brother MFC still display "CHANGE DRUM SOON"?

Don't worry. You're not alone. And the drum isn't defective.

This is a common question for users of Brother laser printers and multifunction devices. After replacing the drum unit, the machine still displays the message "Change Drum Soon".

First of all, you should know that this is the final message which will be displayed when the drum unit approached end of life. At this point, you can change the drum any time, preferably after you've gotten all the useful life out of it. You will know it's time to replace it when the print/copy quality degrades. Look for dark lines down either side of the paper.

Be advised that there are two cartridges or "units" inside the machine - the toner and the drum. They are combined which often creates more confusion. The toner sits in or on the drum. The drum looks more like a holder for the toner cartridge. Pay careful attention to which unit the machine is calling for and replace the correct one. Usually, toners are used up at a faster rate than drums, about four or five to one.

After replacing the drum, the machine will not automatically reset the message. You must perform the drum message reset procedure. Here's how:

Open the front cover.
Then:

For MFC-9700 Users: Press the Right Arrow key.
For MFC-9800 Users: Press the Clear key.

The LCD will display REPLACE DRUM? 1.YES 2.NO.
Press 1 to reset.
Close the front cover, pressing firmly on each side until they click into place.
Call Southeastern Laser and order another one to keep on hand for next time.

This reset procedure applies to Brother models MFC-9700 and MFC-9800. The procedure for most Brother models is similar to this, but vary from series to series.

False OPC low message on Xerox and Mac.

Lately, we've seen several occurrences of a problem with Xerox Phaser 6350 and 6360 series print drivers on Mac OS/X 10.6 and 10.7.

The driver causes a false message to display that the OPC or Optical Photo-conductor unit needs to be replaced. The message is displayed only on the Mac, not on the printer. Having checked the supplies via the embedded web page or the supplies status info on the printer, it shows the correct status is not low or needing replacement.

We have not seen this problem on Windows systems.

I was confused the first time I heard this from a client because Xerox does not use the term Optical Photo-conductor. That was my first clue. Xerox refers to this consumable item as an Imaging Unit.

In an attempt to correct the false message, we deleted the driver and all files related to Xerox on the Mac. Then we re-installed the driver from a fresh download. This made no change or improvement. The false message was still there.

With this false message, the printer will function normally. The only effect is the annoyance of a pop up message.

At this time, we have no solution for this problem. We expect Xerox will issue an update to the printer driver at some point.

Printer apps??? What's the use?

The battle of the apps was started long ago in the mobile phone industry. All the cell phone manufacturers are trying to outdo each other with the most apps.

HP is putting apps on some printers now. I am not sure I get it.

Click here to surf over to Hewlett Packard's web site where you can see all the cool apps they are putting on printers.

Here's my question:

Why would you go to your printer rather than using your computer to print the same thing?

Let's look at some of the apps from HP's app store:

Delta Air Lines:
"Avoid long lines at the airport. Check-in and print your boarding pass for your next Delta flight."
Wouldn't you just print your boarding flight from your computer?

Sesame Street Printables:

"Enjoy Sesame Street coloring pages, educational activities, and books from the Sesame Street eBookstore."
When my kids ask for coloring pages, we usually google the character name with the words "coloring pages".

Yahoo! Digest:

"Get today's top stories from the internet's #1 source for news."
Why would you print the news?

I love gadgets. Others like me may like the idea of printer apps just because it's cool. So I'll give a high-five to HP for that. I've certainly wasted my share of time making something work just because I could.
