Getting Them To The Meeting: Meetings 101

So, you're scheduling a meeting! If you want to have all of your participants ready and prepared here are a few tips to help you have a successful turn out and GET THEM TO THE MEETING!

Here are a few tips for meeting attendance success:

Notice: To get participants, you need to give them notice so they can plan to attend the meeting. Giving participants a month (3 weeks) notice is preferred for a meeting that is not regularly occuring, or if it is changed from what is usually a regularly occuring day/time. If it is a regularly occuring meeting (Every third Wednesday etc), a reminder a week in advance should suffice. It is when you assume everyone has gotten the word of mouth or un-formalized email that you end up missing participants due to communication failures.

Agenda: A prepared agenda (draft) should be ready and available to all participants a week in advance (at least 3 business days). The agenda should include in the header the meeting date/time/location (call in information if by phone, web information if web meeting) It should include a general meeting outline, list of presenters, and scheduled time for "housekeeping" items and "discussion" at the end. Keep in mind that people like introduction time, that there should be a distinct beginning, middle, and end.... and keep them involved!

Reminder: Send out a reminder of the meeting 24-48 hours in advance of the meeting, preferrably with the meeting agenda attached (again), and with the date/time/location (call-in, web address) included, again. Yes again.

And... Make it interesting and responsive to the group you are serving. You have key topics you need to cover, sure, but also be responsive to the needs of your attendees. Try sending out requests for topics at the time you are scheduling the meeting (3 weeks before) and see if anyone has ideas for what they would like to see on the agenda. Reach out to key participants, see if they have anything they would like to see. Best of all, take feedback on the meetings...ask for what is needed to make it work the next time. Finally, keep it interesting... be creative, fun, and try to engage your participants. The more involved they feel, the more likely they will be there for your next meeting. (of course, if this is your required meeting...they'll be there...but don't you want them to enjoy it and listen?...of course you do)

So, give it a shot and before your next meeting remember the 3 key ways to get them to show up!

Notice..... Agenda..... Reminder It's that simple. You'll be amazed at how much people will appreciate the time you spend!

New Online Course Introduced for Native American Small Business Owners (SBA Press Release)

WASHINGTON – Native American entrepreneurs have a new tool to help determine if they’re ready for business ownership and to help them get started. Native American Small Business Primer: Strategies for Success is a free, self-paced online business course developed for Native American business owners. The course provides an overview of basic business principles and makes them aware of the programs and services available from the U.S. Small Business Administration.

“Native American Small Business Primer: Strategies for Success will enhance the agency’s effort to provide important resources for emerging Native American entrepreneurs,” said SBA Administrator Karen Mills. “Our ultimate goal is to help create jobs and stimulate economic and business development in our Native American communities. This course is an essential business development tool for the entrepreneur’s toolbox.”

The new online course: emphasizes business planning and market research as essential steps to take before going into business; informs Native American entrepreneurs about the legal aspects of starting a business, including the type of ownership (legal structure) and licensing; and provides key information on seed money for starting up, raising capital, and borrowing money. In addition, there is a section on how to estimate business start-up costs that can help assess the financial needs of going into business.

The course is available from the SBA’s Online Small Business Training web page under Online Courses for Starting Your Business at http://www.sba.gov/content/online-courses-starting-your-business.

SBA’s Office of Native American Affairs works to ensure that American Indian, Alaska Natives and Native Hawaiian communities have full access to all SBA programs and services. Each year, more than 200,000 American Indian and Alaska Native and 29,000 Native Hawaiian-owned businesses add billions to the American economy.

Course participants completing the online training programs can earn a certificate of completion from the SBA, with their name, date and course title. The Native American Small Business Primer course is one of nearly 30 online tutorials offered by the SBA’s Online Business Training (www.sba.gov/training). Free courses are offered on Starting a Business, Managing a Business, Financing a Business, and Contracting.

SBA can also help pair new business owners with expert advisers, counseling and mentoring services through an SBA representative or resource partner about management assistance, financing options, or participating local SBA lenders.

EPA and Corporation for National Community Service Announce Partnership to Leverage Grant Resources to Support Indian Tribes

(Press Release)

WASHINGTON – Today, the U.S. Environmental Protection Agency and the Corporation for National and Community Service announced that Indian General Assistance Program (GAP) grants may be used as match funding for tribally-sponsored AmeriCorps programs.

More than $3 million worth of AmeriCorps funding is dedicated to support tribal communities every year, but often, tribal governments face financial challenges that prevent them from providing the required matched funding. AmeriCorps members help address key challenges facing Native American communities, including education, disaster response and environmental preservation. EPA manages GAP to assist eligible tribal governments in building environmental programs needed to regulate and manage their environments. The combination of AmeriCorps grants and EPA program funding such as GAP enable tribal governments to bring in energetic, committed people to help build an environmental program.

“In this time of limited resources, it is critical that our tribal partners are aware of and able to use all available EPA financial support to ensure tribal environmental needs are being addressed,” said Michelle DePass, assistant administrator of EPA’s Office of International and Tribal Affairs. “This initiative is another example of how EPA is working to ensure that all communities have equal opportunity to develop solutions to their most pressing environmental problems.”

Two types of AmeriCorps grants are available specifically for Indian Tribes: a planning grant (up to $50,000) to help support a tribe's development of a future AmeriCorps program, or an operational grant to recruit AmeriCorps members to serve the community. AmeriCorps members can help tribes expand services, build capacity, develop partnerships, create sustainable programs, and recruit and manage other volunteers, and AmeriCorps members receive a living allowance, education award, and other benefits.

“AmeriCorps members are a valuable resource to help tribal leaders meet immediate community needs and make a lasting difference,” said John Gomperts, Director of AmeriCorps. “We are pleased to team up with EPA to find ways to make it easier for tribes to participate in AmeriCorps, and encourage tribes that are interested to apply.”

The AmeriCorps grant application deadline is January 18th. To use EPA grant funds as match for AmeriCorps grants, the proposed activities must be within the scope of EPA’s work. Examples of eligible activities include conducting environmental education, performing assessments of indoor air quality or household pesticide usage, and assessing baseline environmental conditions.

WASHINGTON, DC – On Thursday, December 1st, eleven Native American Youth leaders will be honored at the White House as Champions of Change. These young people are Champions in their tribes and communities as they work to improve the lives of those around them through innovative programs that help others, raise awareness of important issues like suicide and bullying prevention, energy efficiency and healthy eating.

“The ‘Champions of Change’ for Native American youth are here to share their stories and to attend the White House Tribal Nations Conference. They are examples of the generation that will build a stronger future for Indian Country by continuing to address the challenges facing American Indians and Alaska Natives,” said Associate Director of Intergovernmental Affairs, Charlie Galbraith.

The Champions of Change program was created as a part of President Obama’s Winning the Future initiative. Each week, a different issue is highlighted and groups of Champions, ranging from educators to entrepreneurs to community activists, are recognized for the work they are doing to better their communities.

These outstanding young Americans were selected from a group of hundreds who answered President Obama’s call to share their stories of leadership and community service. To watch this event live, visit www.whitehouse.gov/live at 12:00 pm ET December 1st.

The White House’s Native American Youth “Champions of Change” honorees are:

Teressa Baldwin

Native Village of Kiana

Sitka, AK (Go Alaska! Go Alaska!)

Teressa Baldwin has been directly impacted by suicide and wanted to take action to help reduce the rate of suicide in her home state of Alaska. As a junior in high school, Teressa was appointed by Governor Sean Parnell to the Statewide Suicide Prevention council and became one of the youngest appointed representatives in the state of Alaska. Following her appointment, Teressa started her own organization teaching her peers about the signs of suicide and sharing her own story about how suicide affected her life. After facing common hurdles to suicide prevention programs, including high costs and low enrollment numbers in trainings, Teressa has been able to work with 12 schools on suicide prevention programs and is hoping to expand to more. Teressa feels that her work is part of her life goal to help lower the rates of suicide in not only Alaska but the rest of the country.

Morgan Fawcett

Tlingit and Haida (Go Tlingit....Go Tlingit!)

Fort Jones, CA

Morgan Fawcett was diagnosed with Fetal Alcohol Spectrum Disorders (FASD) when he was 15 years old. At the time of his diagnosis, Morgan knew that he wanted to help educate others about FASD both among Native Youth and all youth and adults across the country. Morgan has organized concerts and benefits that allow to him to speak about FASD at school assemblies, colleges, community colleges, hospitals, churches and many more. Morgan has also created a flute program that has allowed him to donate over 650 Native flutes to at risk youth and challenged individuals. The Alaska State Legislature recognized Morgan for his work by awarding him the NOFAS leadership award in 2011. Morgan hopes to begin college this year and show others that just because you are born with a disability, with help from friends, family and the community you can succeed.

LeVon Totsohnii Thomas

Navajo

Cambridge, MA

Levon Totsohnii Thomas is currently studying Mechanical Engineering at the Massachusetts Institute of Technology and has been actively engaged with the Navajo Nation Government. Levon currently sits on the Navajo Green Economy Commission which promotes green businesses/jobs and influences green legislation in the Navajo Nation. In addition, Levon has worked on wind energy development on the Navajo Nation to educate the people on the importance of sustainable development. He plans to use his education to help his community by bringing together the need for small businesses on the reservation with sustainable business practices.

Madeline Sayet

Mohegan

New York, NY

Madeleine Sayet keeps her culture alive by telling the stories of her tribal ancestry through storytelling and plays. Beginning as a teenager, Madeline spent summers creating and teaching shadow puppet plays of traditional stories in the Mohegan language to her Youth Camp. Madeline played a critical role in all aspects of the development and production of these plays which were intended to help children gain a deeper understanding for their heritage and native tongue. She went on to receive a degree in Theater from New York University (NYU) where she also served as Co-President of the Native American Club. Since graduating, Madeline has performed a Native play by William Yellowrobe Jr. and still plays an active role on the campus of NYU as she continues her education. Madeline also writes about her homeland including one short story in University of Nebraska’s forthcoming Anthology of New England Native Literature. She is currently working on her Masters’ thesis which will be a play illustrating the life of her ancestor Fidelia Fielding, the last fluent speaker of the Mohegan language- to be performed in NYC this spring before performing to her tribe back home.

Desiree Vea

Koloa, HI (Go Hawai'i! Go Hawai'i!)

When Desiree Vea returned home to Hawaii in 2009 after attending college in New York, homelessness was at its highest since 1997, with its highest rates among Native Hawaiian. Moved by the needs of her community, Desiree began developing a curriculum to help homeless families transition to permanent rentals. During this time, Desiree helped the community see how important their voice was and as the 2011 legislative session began in Hawaii, she conducted her first workshop of 12 people who came together to organize a poverty simulation at the capitol. This group continued with her support to create community cash-flow projects, multi-family markets and micro-enterprise. Now they are rebuilding their community on their own and creating models for other communities.

Iko'tsimiskimaki “Ekoo” Beck

Blackfeet

Missoula, MT

Iko’tsimiskimaki “Ekoo” Beck is an advocate against bullying and after earning the My Idea Grant from AT&T and America’s Promise Alliance, she was able to fund her project “Inspire to Lead.” With this program, Ekoo has implemented a program which is providing peer led prejudice reduction, violence prevention trainings for high school, middle school and elementary school students as well as after school programs. In the course of these trainings, participants learn more about the effects of bullying, prejudice and racism and how to end it. Ekoo’s program has impacted hundreds of students in Missoula through community and peer leaders. Due to Ekoo’s work on this important issue, she was appointed as a youth representative on the Board of Directors of America’s Promise Alliance led by and founded by General Colin Powell and Alma Powell.

Emmet Yepa

Jemez Pueblo

Jemez Pueblo, NM

Emmet Yepa from the Jemez Pueblo tribe in New Mexico, is an environmental advocate in his tribe and wants to find solutions to help educate his people and future generations about the importance of recycling. Emmet helped to form the Walatowa Green Stars Recyclying Group in 2010 which consists of four youth members and is focused on preserving and keeping their ancestral lands beautiful through recycling. Despite initial challenges to get approval, the Green Stars persisted and currently educate students at local schools and have implemented recycling bins in designated areas within their Pueblo. Since 2010, Walatowa Green Stars had been recognized with numerous awards and given opportunities to speak at local and national conferences. Emmet’s ultimate goal is for his tribe to eventually have its very own Recycling Center.

Lorna Her Many Horses

Rosebud

Rosebud, SD

Lorna Her Many Horses is dedicated to honoring the American Indian soldiers and veterans who serve this country at a higher per capita rate than any other ethnic group. She has worked with elders and language teachers to translate the Star Spangled Banner into Lakota and Dakota because she feels that our soldiers and veterans deserve to be honored in their own language. To make this a reality, along with the help of others, she was able to record and produced CD’s in her own community that have been given out to hundreds of Native American veterans and soldiers, and more than 50 schools and youth organizations.

Tiffany Calabaza

Kewa (formerly Santo Domingo Pueblo)

Colorado Springs, CO

Tiffany Calabaza is currently a student at Colorado College and has helped bring renewable energy technology to her hometown of Kewa, New Mexico. Tiffany worked with her advisor and others at Colorado College along with tribal community members and tribal community leaders on education and development of the energy technology. Through her community based research, everyone agreed upon converting one of their community windmills into a solar water pumping station which will pump ground water in a more efficient fashion allowing livestock and other small wildlife to have a source of drinking water. The project continues to involve both Colorado College students as well as Kewa tribal members. The goal is to educate her community on renewable energy technologies so that it will raise awareness on the efficiency and benefits of engaging with this technology. Overall, Tiffany’s goal is to provide her people with solutions to allow the cattle to spread evenly throughout the rangelands and avoid over grazing, preventing further damage to our land.

Cassandra Candice Steele

Pinoleville Pomo Nation

Ukiah, CA

Cassandra Steele started her tribe’s first traditional Pomo dance group and continues to work with a youth group she started to preserve their culture by learning traditions of basket-making, fishing, gathering, beading, speaking the Pomo language, singing traditional songs and ceremonial dancing. Cassandra arranges fundraisers, activities and talking circles for her youth group which she works to keep inclusive of those not only in her tribe but for any children who want to participate. The main focus of the group is to improving life for young people in her community by preventing teen pregnancy, drug and alcohol abuse, suicide, bullying, and preserving their culture and tradition. In addition, Cassandra works to teach environmentally friendly practices to her community, including building a proto type house for their tribal citizens. In July 2011, they broke ground on their first house which will use solar energy, composting toilets, rain water catch system, grey water system and hay bale materials with a culturally inspired physical design. Cassandra remains focused on bridging the gap between the elders and youth in her community to preserve their culture for future generations.

Dallas Duplessis

Alaskan Native

Tulalip, WA (Go Alaska!! Go Alaska!!)

Dallas Duplessis is an advocate for healthier eating on her reservation. After seeing firsthand the negative effects of unhealthy eating habits, Dallas was focused on making a difference. Dallas and her family have been involved in the Hilbulb Cultural Center program “Growing Together as families” which teaches families healthy eating habits. From her involvement with the Cultural Center, Dallas was inspired to start the Tulalip Youth Gardeners Club to inspire other kids to garden together with their families. Since the start of the club, they have been able to teach kids to learn about gardening during the opening of the Hilbulb Center, at the Boys and Girls Club and at the Evergreen State Fair where they won ten ribbons. As their club says, their goal is not to be couch potatoes but to grow some potatoes.

(A few extra cheers for my Alaska Native and Hawaii Native peeps)

Um, Do You Want the Answer Ball?

The "answer ball" may not be what you think.

I'm not talking about the infamous "Magic 8 Ball", but a different theory...

Have you ever held a meeting where people tended to want to talk over eachother? Maybe there is someone who just seems to answer too much? Or, maybe you just want to keep people awake...

This is the purpose of the Answer Ball. The Answer Ball can be any kind of a soft ball, it can be plastic, foam, or even a balloon if you feel so inclined (oh and portable). The magic of the Answer Ball is in the use.

Remember the infamous "conch" in Lord of the Flies?

Maybe you've seen a "talking stick" before... (in this scenario it's a pile of rings instead of a stick)

This is something like that. To mitigate conversation during a presentation or a class setting, the ball is used as a tool to determine whose turn it is to speak. The presenter keeps the ball, until discussion is to be held, then the ball is passed between participants to allow for dialogue in an orderly fashion. (sometimes fun kinds of disorder do occur...it is a ball you know)

The ball is used as a tool in:

decision making

inquiry managemet

clarifying group dynamics

problem solving

conflict resolution

creating focus

creating fun!

The ball serves as an encouragement to speak, a manifestation of the power to control the room for the brief period the speaker holds the ball. Speakers can speak from a deep place without any concern they will be interrupted. (You do not speak if you do not have the ball).

Here is an example from a recent episode of "The Middle" - It's humorous, but shows also the use of the ball (however in a less effective manner, as it is intended for groups...)

I've used the talking ball in many different presentation settings, and it is always a hit.

What do you think of the "Answer Ball" method? Would you do it in your presentation or classroom setting?

O.P.P., it's not just a song from the early 90's - Y'all with harmony ....'Chelle drop a load on 'em

OPP how can I explain it
I'll take you frame by frame it
To have y'all jumpin' shall we singin' it
O is for Office P is for Pet, not talkin kitten
The last P...well...that's what I'm gettin'
It ain't like another way to call a cat a kitten
It's SIX little letters that are missin' here
You get ticked on occassion at the other party
As in lame it seems I gotta start to explainin'

Bust it ....

Ok...so those aren't the original lyrics...but it's my intro to my favorite of topics... did you guess it? Yes... OFFICE PET PEEVES! What is yours?

My top pet peeve? The people who finish the water, and don't put on the new bottle.... which is probably the same person who jams the photocopier without telling anyone it's jammed, or trying to remove the jammed paper. (often times you know who it is by what they left behind...)
