But this is not true in the world of work. In the workplace, the  assignments are often vague, the &lt;a href="http://www.simplechief.com/2011/03/projects-without-specs-activities.html"&gt;success criteria are not precisely  defined&lt;/a&gt;, and you are not going to be given a letter grade for your  work.&amp;nbsp; All you can hope for is sporadic feedback from your boss and your  peers, a performance review on a periodic basis, and (hopefully) nice  raises along the way.&lt;br /&gt;
&lt;br /&gt;
How to bridge this gap?&amp;nbsp; I suggest that you view all assignments at work as &lt;i&gt;projects&lt;/i&gt;.&amp;nbsp; Every project has three competing factors -- Schedule, Spec, and Budget.&amp;nbsp; For example:&lt;br /&gt;

&lt;ul&gt;
&lt;li&gt;It might be more important to get the project done fast (an hour, a  day, whatever) than to get it done cheaply or well, so that Schedule is the  most important thing.&lt;/li&gt;
&lt;li&gt;Or maybe, meeting the precise letter of the Spec is the most  important thing.&amp;nbsp; This is most similar to the classroom environment.&amp;nbsp;  But such situations are rare in the workplace -- most specs have some  room for negotiation, especially if a different spec can save money or  time.&lt;/li&gt;
&lt;li&gt;Sometimes the Budget is the key thing, because if a budget is  exceeded then a new round of approvals need to be asked for and granted,  and nobody wants to ask for such approval.&lt;/li&gt;
&lt;/ul&gt;
Whenever you are given an assignment, you  should always ask questions to clarify what&amp;nbsp; is being asked.&amp;nbsp; In other words, you need to define your project.&amp;nbsp; The first  question you should ask is about Schedule -- "When do you need it?"&amp;nbsp; Getting the time  frame right makes it much easier to frame, negotiate, and document the  rest of the assignment.&amp;nbsp;&amp;nbsp; &lt;br /&gt;
&lt;br /&gt;
The next question is some variant of "Please rank these factors  in order of importance -- Spec, Budget, and Schedule".&amp;nbsp;&amp;nbsp; This question will  generate good discussion about what is really being asked, what else is  going on with the project, any sensitive issues that might not have been  mentioned before, and so on.&amp;nbsp; And don't take "All of them" for an answer -- that sort of thinking leads to &lt;a href="http://www.simplechief.com/2011/03/fix-or-kill-lame-projects.html"&gt;lame projects&lt;/a&gt; that sap everybody's energy.&lt;br /&gt;
&lt;br /&gt;
After this, be sure to document your understanding in a &lt;a href="http://www.simplechief.com/2011/04/business-email-format-effective-results.html"&gt;concise email&lt;/a&gt;, and ask for validation that you have gotten it right.&lt;br /&gt;

I hope you see the differences.&amp;nbsp; The good email has:&lt;br /&gt;
&lt;ul&gt;
&lt;li&gt;A relevant subject line with a clear call to action.&lt;/li&gt;
&lt;li&gt;A clear request for specific action from a specific individual.&lt;/li&gt;
&lt;li&gt;Instructions for exactly what is to be done and what to do once the task is completed.&lt;/li&gt;
&lt;li&gt;All pertinent detail surrounding the situation, so no followup emails will be required to understand precisely what is being requested.&lt;/li&gt;
&lt;li&gt;An open question to the recipient to contact the sender if anything is unclear.&lt;/li&gt;
&lt;li&gt;An invitation to improve upon the proposed course of action if there are better ideas out there.&lt;/li&gt;
&lt;li&gt;All pertinent contact information of the writer, and so on.&amp;nbsp;&amp;nbsp;&lt;/li&gt;
&lt;/ul&gt;
&lt;br /&gt;
The good email will drive results.&amp;nbsp; The bad email will just annoy people and limit your career.&lt;br /&gt;
&lt;br /&gt;
&lt;b&gt;Short and Sweet&lt;/b&gt;&lt;br /&gt;
If you find that your email is getting longer  than a  couple paragraphs, stop and ask a few questions:&amp;nbsp; Why is this  concept so  hard to convey concisely?&amp;nbsp; Maybe I don't know what I actually want to do here, so I better stop and think about it.&amp;nbsp; Do I actually need a meeting or a   presentation instead?&amp;nbsp; Or maybe I should just go talk to a few people   and try to get a feel for the situation?&lt;br /&gt;
&lt;br /&gt;
If you can't write an email that can be read, digested, and acted upon &lt;a href="http://www.simplechief.com/2011/03/explain-what-youre-doing-in-thirty.html"&gt;within thirty seconds&lt;/a&gt;, then don't send it!&amp;nbsp; Get out and talk to people,   and stop typing!&amp;nbsp; You'll be more effective at work, and probably have   more fun too!&lt;br /&gt;

&lt;li&gt;Your company faces competition from companies with lower-cost labor.&lt;/li&gt;
&lt;li&gt;You face competition from younger people entering the workforce.&lt;/li&gt;
&lt;li&gt;Your company may be acquired by a competitor, with the resulting "elimination of redundant positions" that may affect you. &lt;/li&gt;
&lt;li&gt;Your skills may be getting rusty due to inactivity.&lt;/li&gt;
&lt;li&gt;Your energy level and drive may have tapered off a bit.&lt;/li&gt;
&lt;li&gt;New methods and tools have evolved that you are not familiar with.&lt;/li&gt;

&lt;br /&gt;
In addition, every good manager  knows that she cannot advance &lt;i&gt;her&lt;/i&gt; career unless there is a suitable replacement for her.&amp;nbsp; Maybe that replacement could be you!&lt;br /&gt;

&lt;b&gt;The Power of Pictures&lt;/b&gt;&lt;br /&gt;
You can only influence the audience if they can connect with your message.&amp;nbsp; &lt;i&gt;And this is best done with pictures&lt;/i&gt;.&lt;br /&gt;

I am not talking about meaningless clip art and distracting  decoration, animation, and fluff on your PowerPoint template.&amp;nbsp; I'm  talking about showing graphs instead of data tables, flow diagrams  instead of a list of bullet points, and so on.&lt;br /&gt;

The reason pictures work is that our brains are capable of taking in the message from a good picture or graph much, much faster than we can from reading text.&amp;nbsp; And pictures cut across disciplines, cultures, languages, and other things that separate your audience members from each other.&amp;nbsp; Pictures hold people's attention the way words cannot. &lt;br /&gt;
&lt;br /&gt;
So whatever you have to say, say it with a picture or graphic or something other than just text.&amp;nbsp; You'll find that you have a much more engaged audience!&lt;br /&gt;

Everything on your slides must be legible from the back of the room, to a person  with 20/40 eyesight.&amp;nbsp; You want &lt;b&gt;bold&lt;/b&gt; type, at least 24pt (this is easy to set up on the Power Point template, so that every slide you make has a uniform look and feel).&amp;nbsp; Because guess what -- if your boss is 50-ish or  older, chances are they don't see as well as they used to.&amp;nbsp; Don't  aggravate them by putting up things they can't read!&amp;nbsp; It will create a negative association that you don't need.&lt;br /&gt;
&lt;br /&gt;
There is another important reason to make your text big.&amp;nbsp; It's so that you hone your message and &lt;a href="http://www.simplechief.com/2011/03/explain-what-youre-doing-in-thirty.html"&gt;make it concise&lt;/a&gt;.&amp;nbsp; If you have just a few words to play with on each slide, it forces you to hit only the high points, stick only to the essential things, and keep your presentation focused.&amp;nbsp; And that will make it much more effective.&lt;br /&gt;
&lt;br /&gt;
&lt;b&gt;Preview it yourself&lt;/b&gt;&lt;br /&gt;
Nobody wants to hear you say "oh, well,  this looked different on my screen" when you are presenting!&amp;nbsp; Preview  your presentation in the room you will be using for the presentation.&amp;nbsp;  Stand in the back of the room, with the lights on, and see if you can  read and understand everything.&amp;nbsp; Many projectors wash out or alter your carefully-chosen  colors, so make adjustments as needed.&amp;nbsp; The subtlety of dark green versus light green may have been stunning on your computer screen, but a green mess when projected onto a screen in a conference room.&lt;br /&gt;
&lt;br /&gt;

There is another important reason to take charge of a messy  situation.&amp;nbsp; If all parties involved agree that the situation is messy or  the system is indeed broken, then all parties will be receptive to  change.&amp;nbsp; It is relatively easy to align people around the idea that we  need to "fix what is broken", which is crucial to getting the support  you need to enact your change.&amp;nbsp; So getting involved in the messy  situation (assuming you can fix it, of course!) can also a very &lt;i&gt;efficient&lt;/i&gt; use of your resources and time.&lt;br /&gt;
&lt;br /&gt;
By contrast, it is hard to convince people to do things differently  when there is no crisis -- most people don't want to try to fix things  that aren't broken.&amp;nbsp; Most organizations and people have a natural  tendency to keep things the same, with only minor modifications, as long  as possible.&lt;br /&gt;
&lt;br /&gt;
People that can step in and take charge are the people that are  called upon to lead difficult projects, to turn around &lt;a href="http://www.simplechief.com/2011/03/fix-or-kill-lame-projects.html"&gt;failed projects&lt;/a&gt;,  to take on bigger and larger roles, and so forth.&amp;nbsp; In other words, they &lt;i&gt;advance their career&lt;/i&gt;.&amp;nbsp; So don't run away from the next mess you find, step in and fix it!&amp;nbsp; It will go a long way towards advancing your career!&lt;br /&gt;

I have personally observed a wide range of attitudes on this point --  some people always do more than they are assigned, some tend to do just  barely enough.&amp;nbsp; Of course people that can't complete the tasks they  have been assigned generally wash out of the company fairly quickly.&amp;nbsp; But a great many people, either consciously or unconsciously, figure out what it takes to get by and then adjust their work habits and output accordingly.&amp;nbsp; Such people will never get the big raise, or the big promotion.&lt;br /&gt;

&lt;br /&gt;
&lt;b&gt;Cure:&lt;/b&gt;&amp;nbsp; Turn all your activities into projects, so that you can work toward stated goals within time, budget, and specification constraints that everybody acknowledges.&amp;nbsp; Whatever can't be turned into a project is a candidate for your "stop doing" list.&lt;br /&gt;
&lt;br /&gt;
&lt;b&gt;Why it Works:&lt;/b&gt;&amp;nbsp; You  must avoid working on "projects" that lack specifications.&amp;nbsp; People doing things without a spec are not working on a Project --   they are engaged in Activity, or perhaps a Lame Project.&amp;nbsp; Unlike a &lt;a href="http://www.simplechief.com/2011/03/fix-or-kill-lame-projects.html"&gt;Lame Project&lt;/a&gt;, which might produce some (sub-par) results someday, activity never produces results.&amp;nbsp;   Activity &lt;i&gt;cannot&lt;/i&gt; produce results, because there is no Goal (Spec)   by which to judge success.&amp;nbsp; Activities are Doomed to fail.&amp;nbsp; You don't   want to be around them, they are bad for your career.&lt;br /&gt;

The paradox, of course, is that engineering or development or whomever is doing the actual work must have a  precise spec to design against, or else the project cannot be executed  in a way that will be successful.&amp;nbsp; And, it also is true that the  customer's reaction to your spec is uncertain.&amp;nbsp; So if the spec you  design to is wrong, you will also not be successful. &lt;br /&gt;
&lt;br /&gt;
But hey, no risk, no reward!&amp;nbsp; What do we pay marketing people for  anyway?&amp;nbsp; The role of Marketing is to see through the murk, take the  calculated risk, and define the future.&amp;nbsp; If you are a designer, make  them do their job and define a spec for you!&amp;nbsp; Don't accept anything  less!&amp;nbsp; If you are a marketer, stick your neck out and define what you  want, don't be wishy-washy!&lt;br /&gt;

Even if you need to write an email to convey information to people,  it is always a good idea to follow up verbally to make sure the point  sticks.&amp;nbsp; Similarly, after a personal conversation, you should follow up  with a short email summarizing your discussion, and to make sure that  you document what you have both agreed to.&amp;nbsp; In both cases you are using  email in conjunction with verbal discussion to maximize your  effectiveness at work.&lt;br /&gt;

&lt;br /&gt;
&lt;b&gt;Cure:&amp;nbsp;&lt;/b&gt; Force a crisis that will either fix or kill your lame project.&lt;br /&gt;

Where do lame projects come from?&amp;nbsp; After all, every project seemed  like a good idea at inception.&amp;nbsp; But, along the way, things in the  environment change -- the market, the competition, the technology,  whatever.&amp;nbsp; In a lame project, the project scope and charter do not  change to align to the new reality.&amp;nbsp; Often it is politically easier for  managers to keep a project going than to kill it outright.&amp;nbsp; This is bad  project management, and a bad practice.&amp;nbsp; But it happens all the time,  even in good companies.&lt;br /&gt;

You need to stay away from, or get off bad projects.&amp;nbsp; But how?&amp;nbsp; Simple, really.&amp;nbsp;&lt;i&gt; You force a crisis. &lt;/i&gt; It's not too hard to do.&amp;nbsp; Ask a few simple questions of the project sponsors and see what answers you get:&lt;br /&gt;
&lt;ul&gt;
&lt;li&gt;Where is the spec?&amp;nbsp; If there is no spec, it's not a project, it's an activity.&amp;nbsp; A very bad sign.&lt;/li&gt;
&lt;li&gt;Who is the customer?&amp;nbsp; If there is no lead customer who you know will buy the thing you are working on, that is a bad sign.&lt;/li&gt;
&lt;li&gt;What is the ROI?&amp;nbsp; It had better be reasonable, and positive, with upside.&lt;/li&gt;
&lt;li&gt;Where is the schedule?&amp;nbsp; Are we on schedule?&amp;nbsp; If there is no schedule, run away!&lt;/li&gt;
&lt;li&gt;What is the budget?&amp;nbsp; Are we under budget?&amp;nbsp; Projects that are over  budget draw attention from high-level executives, often far removed from  the details of what you are doing.&amp;nbsp; Not good.&lt;/li&gt;
&lt;/ul&gt;
Taking on these issues directly will force your company's management to take notice of &lt;i&gt;you&lt;/i&gt;, which will also raise your visibility within the company.&amp;nbsp; And that is a good thing.&lt;br /&gt;
&lt;br /&gt;
Hopefully the project shapes up (good), or it goes away and you are assigned to a new, better project (also good).&amp;nbsp; Either way, you win by being proactive and aggressive.&lt;br /&gt;
