</p><p>One of the many things I enjoy about my work is the constant learning and discovery.  Even if it's a 'small' discovery, as this one is, it's often enough to make a difference in a workday. </p><p>I'm always looking for more efficient ways to deal with the mountain of information our office produces and must deal with daily.  Some time ago we established a 'Red Tape Reduction' committee to identify workflow process that could use improvement.  This post addresses one of those identified processes.  Solving it resulted in the discovery of a simple process buried deep within Word that increased the efficiency in our workflow.</p><p>If you aren't running an Exchange server, with Outlook connected as the desktop email client, you can stop reading right here - this post won't be of any interest to you.  But if you are working with Outlook connected to Exchange and use Exchange Public Folders, you may find this a helpful tip.</p><p>Essentially we were looking for the most efficient way to post to an existing Word .doc to a public folder to reduce duplication of work. We knew we could drag and drop the .doc from Windows Explorer to the Outlook Public Folder (but that required Windows resizing, so both the origin and destination locations were visible to allow for the drag and drop - and that can be fiddly).  We knew we could copy and paste the .doc (or any file) from its original location to the Public Folder (but that requires a lot of clicking).  There had to be a better way.  It turns out there is - it's just buried in Word, and until today, I didn't know it existed (which is possibly negligence on my part, but let's keep that to ourselves...!)  It's called the 'Send to Exchange Folder' command - and you can add it to your Quick Access Toolbar (Word 7 and later versions) for easy access.  This command allows you to directly send the open Word document straight to the Public Folder, right from within Word - no drag and drop, no copy and paste required.</p><p>Here's how you do it:</p><h2>

Exchange Folder’ to QAT</b><br>

QAT. </b></p><p>This
is a one-time customization that should remain available to you at all times,
now that it has been placed on the QAT. </p>

<h2><b>To use this
‘Send to Exchange Folder’ function</b></h2>

<p> Just
do the following, with your Word document (In this case, the Pickup and
Delivery Form) open: </p>

<b>Click the ‘Send
to Exchange’ icon</b> on your QAT</li>
<li> In the dialog box
that opens <b>– expand the ‘Public Folders’</b> (by clicking the + to its left)</li>
<li>
<b>Expand ‘All
Public Folders’</b> (by clicking the + to
its left)</li>
<li><b>Click to Select the Public Folder you wish to send the .doc to</b></li>
<li>Click ‘<b>OK’</b> </li>

<p>A couple of weeks ago our offices installed a brand-spanking
new VoIP phone system.  I've been geeking out for the last little while,
figuring out all the cool things we can do with the new system that we couldn't do with the old one.  I love that I can log out of the phone at our desk,
drive over to our other city office and log into a phone over there. Everything
travels along to the new location with me – my extension, my voice mail, my
direct line, phone customizations – all of it. It’s as if I am sitting at my
own desk and not half-way across the city! </p>

<p>We can now also receive our voice mail messages as a .wav
(sound) attachment to an email. I always have my email available to me – either
directly in Outlook, or by way of Outlook Web Access, or on my mobile
devices.  Each one easily plays the message for me, without having to dial
into my voice mail.  And icing on the cake: the recordings can be saved
permanently to a matter file. </p>

<p>And that’s what this column is really about – not a cool new
phone system, but all the additional email now landing in my mailbox.  The
first day the new system was operational, I watched those incoming voice mail
messages and watched everyone else doing the same – and then I watched as some
manually dragged each message into a folder they created in Outlook, so the
messages wouldn't ‘mix’ with the other email in their Inbox. </p>

<p>Painful.  Very
painful.  I'm thinking repetitive stress injury territory, given how many
voice mail emails arrive at the office….  Why do Outlook’s work for it,
when you can lay down the law and make it do what you want it to do – make

I’d sometimes be surprised by a little pop-up that accompanied an email I’d just opened in Microsoft Outlook, asking me to please confirm receiving and reading that email: aka a “read receipt.”</p>
<p>I may have been naive in those days, but I was also (and still am) private and paranoid. My reflexive privacy twitch always caused my finger to click “no” every time that box appeared. (“No, you can’t know that I received and read your email—that’s my business, not yours.”) Eventually, I began poking around for a way to turn off those occasional, annoying pop-ups.</p>

<p><span>Well, throughout the day yesterday, I started receiving pings and inquiries from some of my followers saying how much they liked the different Microsoft Office 2013 Quick Start Guides and asking if I had the full series posted in one place to see all of the ones available, as well as access and download them all from a single location. Since I had not put the collection together in one place yet and there seemed to be a consistent ask for this, I thought I would pull them all together here for you in a single post so you can see all of the ones available and download the ones you want for yourselves. Simply click on the pictures or names of the ones you want and download them, or right-click on them and select “Save target as,” to directly save them to your machine.</span></p>

<p><span>I was working with one of our assistants yesterday – she was automating a set of documents to more efficiently serve one of our municipal clients – setting up ‘Ask’ fields', ‘Create Date’ and 'PrintDate'</span><span> fields and more (I was pretty thrilled by this, to tell the truth!). </span><span> </span><span>Her precedent document also contained a simple Word table with some figures in a column, causing her to ask a question I don’t get asked very often:</span></p>
<p><span>“Can Word add up a column of numbers in the same way an Excel spreadsheet does?”  (she wanted to avoid having to link a separate Excel spreadsheet to the precedent document).</span></p>
<p><span>And my answer was “Yes, it can” (though my 'Yes' was very qualified).</span></p>
<p><span>Below, I’ve created a single column table and put a number in each cell.  If you add the numbers, you will see that they total 15, and that’s what the table shows.</span></p>

<p><span>However I didn’t type the number 15, I used Word’s ‘Formula’ command (when you the table, Word will display the 'Table Tools' Ribbon - look at the' Layout' Tab, then the 'Data' group and you'll see the 'Formula' command) to total the column and insert the total automatically in the last cells (Place your cursor in the bottom cell first and ensure it's empty)</span></p>

<p><span>Word inserts the total (sum) as a field (this is the default action in the Formula command), allowing you to change the column numbers in the future and update the total by updating the field.</span> </p>

<span>The total (sum) does not update immediately upon changing a number in the column as Excel does (it will update automatically on reopening the document – not very useful timing!).</span><span>  </span><span>To see the updated total right away you must select the total (sum) field, then press the F9 key to manually update it.</span></p>

<p><span>This is pretty handy for very, very simple calculations directly in Word, but Word Tables are subject to serious limitations you should be aware of:</span><span>  </span><span><strong>None of the cells can be empty</strong>.</span><span>  </span><span>Word will only total contiguously numbered cells – if one cell is empty, it will not sum the entire column of numbers correctly.</span><span>  </span><span>That means <strong>you **must** put a number in each column cell, even if that number is ‘0’.</strong></span></p>
<p><span>Word will let you do other calculations than Sum in a Table, but I haven’t tried them and wouldn’t recommend them.</span><span>  If you want move involved calculations, use an Excel spreadsheet and link it to your Word document.</span></p>]]>

<p>Remember that turn of the century game show where weaker players were summarily dismissed from the game by a snarling game show host? Wrong answer, off the game the player was ordered, as the weakest link – no second chance. Only the strongest, most strategic players were left standing at the end to compete for the prize.</p>
<p>When it comes to computer security, YOU are that weakest link. If you lose, you might not only be sent home in humiliation, you may take your entire office and your clients’ confidentiality with you. Losing the computer security game is not a chance you want to take.</p>

<p><span>Way back in September 2011, I wrote a couple of posts about Word 2010’s ‘Find’.  Basically I was whining about how Word 2010 replaced the ‘Ctrl F’ keyboard shortcut with the Navigation Pane, rather than Word’s old ‘Find’ Dialog box (and I preferred the old Find box).  This change made the old ‘Find’ box more difficult to get to – and it required extra clicking to get there.</span></p>

</ul><p><span>My original post laid out the various ways to access the old-fashioned ‘Find’ box, for those still wanting it, and my follow-up post elevated an extremely helpful comment from <a href="http://legalofficeguru.com/">Deborah Savadra, Legal Office Guru</a>, showing how to re-apply the old keyboard shortcut to the Find dialog box, allowing you to bypass the Navigation Pane and go straight to Find.</span></p>
<p><span>But I realized, the other day, while working on a Word issue, that I missed an additional way to access the old Find dialog box from the Quick Access Toolbar and/or the Ribbon.  Because Microsoft never makes it easy, you know?  They actually did do make the ‘Advanced Find’ command available for both the QAT and the Ribbon, it’s just not where I expected to find it – you know, next to ‘Find’!  It’s up with the ‘A’s – under ‘Advanced’…</span></p>

<h1>Add Advanced Find to the Ribbon<span> </span>

<p><span>Essentially though, after you start the Ribbon customization process, you are looking in the ‘All Commands’ selection for ‘Advanced Find’ as you saw in the earlier instructions for customizing the QAT.  Once you find that command, and move it into the new custom group created to hold it on the Ribbon (I think it’s best on the ‘Home’ Ribbon, right next to the default ‘Find / Replace / Select’ editing commands, you’ll see it appearing like this on your newly customized Ribbon.  Clicking on it takes you straight to that lovely old-fashioned Find dialog box, where you can carry out your ‘find’ magic in your document : </span></p>

<p><span>We’re coming to that time of the year when I see a lot of people calling up their precedent documents to update the year – from 2012 to 2013.  From this:</span></p>

<p><span>And you might think – what’s the big deal?  I only have to make that change once to the precedent each year – that’s not a lot of work.  But you have to *remember* to do it (it’s easy to forget); you have to do it multiple times (more precedents = more times), *and* you have to repeat this process every year.</span></p>
<p><span>What if the next time you made that change, it was your last time?  Because Word does allow you to set just the year in a document, and have it update automatically every year.  Here’s how using Word Fields.</span></p>
<p><span>Word’s ‘old’ Fields are still available in Word 2010 – you just have to dig a little to find them – and that’s where you’ll find this trick:</span></p>

<li><span><strong>Place the insertion point</strong> in your document at the location you      want to insert the year (date).</span></li>

<p><span>These are the (current) date fields that Word will let you choose from to insert into your document.  You’ll note that there isn’t a format that lets you choose **just** the year – and that’s what we’re looking for.  All is not lost hower, because you can easily edit the date format and remove all the field info except for the year.  It works like this:</span></p>
<p><span>You can see I’ve selected a date that has the full year (2012) in it, rather than the shortened version (12).  Once I select a date, the date formatting appears in the box above my selection.  If I clicked ‘OK’ at this point, the date would insert into my document in exactly the format shown.</span></p>

<p><span>But, I don’t want the day and the month, just the year.  So I just edit out all the information except the four ‘yyyy’ s, so I get this:</span></p>

<p><span>Now I have only the year in my field.  And this year will update automatically, so on the stroke of midnight, January 1 (according to my computer system clock), the precedent’s date will automatically update.  It’s one less thing for me to think about during a busy year-end.</span></p>
<p><span>These date fields work like this (screenshot from Word 2010 Help file): essentially this 1 symbol (y) gets you the most shortened version of the field (12) and 4 symbols (yyyy) gets you the longest (and if the symbols are for the month or day, the 4 symbol version will get you the actual word – play around a little with the fields to see the results)</span></p>

<p><span>You can have any combination you like – not just the defaults that Word presents in the date format list.  Going back to my example at the top of the post – I’m not limited to adding just the year as an automatically updating field, I can add the month also, in its proper location.  I would just use the same process as above, but rather than removing all the date formatting info except for the year, I would remove all the date formatting info except for the month, leaving just four ‘MMMM’s, will get me the current month name only, so now I have this:</span></p>

<p><span>(Note: I work with my Field Shading turned ‘on’ so I have an easy visual that these dates are field, not plain text.  I can see here that I have 2 separate fields – although I could have done it with just one.)</span></p>
<p><span>It’s also important to understand that the date field being inserted is the **current** date, making this method most useful for documents printed out for paper signing.  The date will update electronically to current if you later open the document (that’s what makes it so useful in a precedent) – and this can lead to confusion as to the proper date.  If you want to ‘lock’ the date electronically in your ‘real’ document, allowing you to open it in the future without having the field update, just select the fields (you can select the entire line or paragraph to save yourself time) and use the key combo:</span></p>

</span><span>Most everyone knows (and if you didn’t before, you will now!) that the keyboard shortcut ‘Alt’ ‘Shift’ ‘D’ (press them all at the same time) inserts today’s date in your chosen default Word format at the location of your cursor in your open document, like this:</span> </p>

<p><span> </span><span>So the next question is (after the comment – that’s nice – I don’t have to type out my date?  Or remember what the date actually is?) – how do I set a default format?  Make today’s date always pop into my document the way I like to see it?  Fortunately, this one’s easy – a ‘set it and forget it’ option.  Although you won’t find it in Word’s comprehensive Options, as you might expect…While Microsoft makes it easy, they don’t always make it intuitive…</span> </p>
<p><span> </span><span>Head on over to the ‘Insert’ tab, then click on ‘Date &amp; Time’.  You’ll see the ‘Date and Time’ box pop open</span> </p>

Here you have a choice of dates.  Select the date you like, then just click on ‘Set As Default’ and you’re done.  Unless you later change your mind (which you are free to do), the default date format you just selected will always be the date format that is inserted into your document.</span> </p>
<p><span>But there is something you want to be very, very careful of in the Date and Time box before you press ‘OK’ to set your default – it’s the ‘Update automatically’ selection.  It’s important to understand what this option means and what it does:  If this option is unchecked, the default date will insert as plain text – just like any other text you manually type in your document.  The only thing ‘special’ about it will be that you didn’t have to actually type it.  If this box is ‘checked’, then every time you resave or print the document, the date will update to the current date, and this may be a very undesirable outcome, depending on your needs!  Whatever you choose, update automagically or not, the selection will stay that way unless you change it.  This is one of the very many reasons why I like to work with Field Shading ALWAYS TURNED ON.  That’s my visual clue as to whether text is just plain ol’ text, or is really a field.</span> </p>
<p><span>Before you make your final choice, though, take a look at the Language setting.  Assuming you have more than one Language loaded, select one of the other languages and look at the associated dates for that language, because you may find something that you like better.  I know I did.  I prefer the full date in the U.S. style, over the Canadian style.  But here’s the kicker: Even if you select that other language style date as your default – it won’t stick, unless you actually change your default Language choice in Word.  And that has a whole whack of consequences that you probably won’t want to deal with.</span> </p>
<p><span>Next I’ll show you how to chose any date or time format you like, any time you like, by using Word’s old-fashioned Fields.  Microsoft tried to hide them from us in this version of Word, but they’re still there for the taking if you want to use them.  And they can be pretty useful!</span></p>]]>

    <title>Trouble and Solutions Start Here - Word 2010 Options Reprise</title>

      <![CDATA[<p>Some time ago I put up a <a href="/troubles-and-solutions-start-here-the-finale" rel="nofollow">13 part series on setting Word 2010 Options</a> - working through all the various Word 2010 Options settings and describing what they did and whether it was (generally) best to work with certain settings 'on' or 'off'.</p>
<p>I've had a couple of requests for a compilation of that series - more people are bemused and annoyed about various default Word 2010 settings than I thought!  So, I pulled the series together in a .PDF file and have uploaded it to the blog.  Please feel free to download, use and distribute it as you wish, as long as you don't do so for any kind of monetary profit. (Because, really, who would be silly enough pay for a 60 page manual on Word 2010 settings!)</p>
<p>So here it is.  I've been trying to put it in an epub format also, but it's not that easy to do without a Mac.  If there is a reader kind enough to take the .PDF and turn it into an ebook and send it back to me, I'll post it too.</p>

    <title>This Week in Someone Else's Garden - Macro Photo Class Edition</title>

      <![CDATA[<p>I just completed a Macro Photography class given by <a href="http://www.donkom.ca/" title="Don Kom photography website" target="_blank">Don Komarechka</a>, hoping to improve my not-so-mad macro photo skills.  3 evening classes culminated in a day-long outing to a Wildflower Farm and garden.  Now there's not a lot left this time of year, but it has been a warm autumn so far and we had more choice than I thought we would.  The morning of the outing was cold - our first frost of the season and, though they're weren't very good shots, I have included one of the frost shots.  I need a better camera, better macro lens and a flash unit to improve on these (and that's a major Christmas hint to a certain someone!).</p>
<p>We had to submit our favourite photo of the day, along with one of our best refraction shot.  This was my favourite of the day.  During our lunch break, Don advised to try stop thinking of the flowers as 'flowers', but think instead of lines, shapes, angles, colours and light.  It was great advice and I think this picture benefited from it.        <div class="posthaven-gallery" id="posthaven_gallery[72104]">

    <title>Get a Red-Tape Reduction Committee - Attorney at Work</title>

might actually be the thing your practice needs. Today, Vivian Manning describes 
how forming just such a committee is helping her newly merged firm dispense with 
frustration and “silent suffering” among lawyers and staff, tighten up processes 
and, yes, get rid of some red tape!</em></p>
<p>In “<a href="http://www.attorneyatwork.com/troubleshooting-its-not-always-the-technology/" target="_blank">Troubleshooting: It’s Not Always the Technology</a>,” Andy 
Adkins discussed the concept of “the three-legged stool,” one of the legs being 
“modifying the steps in the process.” His post (which I hope you’ve read) 
reminded me of two things. The first is a quote from Bill Gates:</p>
<p><em>The first rule of any technology used in a 
business is that automation applied to an efficient operation will magnify the 
efficiency. The second is that automation applied to an inefficient operation 
will magnify the inefficiency.</em></p>

    <title>This Week in the Garden - End of Season Edition</title>

      <![CDATA[<p>It's been a while since I've posted garden pics - life has been full of weekend activities.  And during those times it was quiet, the weather didn't co-operate.  We haven't had a frost yet and although the nights have been cool, they've not been quite cool enough to freeze the dew.  The trees are finally turning and they seem to be doing it all at once.  We're going to have quite a show this coming weekend.  The garden has petered out - just a few blossoms here and there - just enough to keep me coming back for more (and when I do, I see all the weeds that need to be pulled before the ground freezes...)</p>
<p>The anemone is beautifully in bloom.  If it didn't spread so aggressively, it would be the perfect plant.</p>

<div><span>Carrying on with the Document Deconstruction theme, remembering that the idea is to create a complete precedent in advance of future use, for the purposes of deconstructing it as the basis of a new document, the next step is to understand how to use Word’s Styles in your precedent document.  Before we get to the ‘how’, I want to talk briefly about the ‘why’.</span></div>
<p></p>
<div>
<span>The most basic reason for using Styles, rather than manual formatting, is to ensure that text and paragraph formatting is applied as efficiently *and* as uniformly as possible.  Word’s Styles ensure both those goals are easily met when drafting documents.  But that’s not all Word’s Styles can do.  When properly applied, Styles also:</span> </div>
<ul>
<li><span>ease auto numbering of paragraphs, including Multi-Level numbering</span></li>
<li><span>ease creation of Tables of Contents</span></li>
<li><span>ease cross-referencing</span></li>
<li><span>ease use of Word’s Navigation Pane and Outline View</span></li>
<li>
<span>ease conversion of Word documents to .PDF files</span> </li>
</ul><div>
<span>and more.  In this post we’ll just be concerned with applying different Heading Styles to paragraphs in a precedent agreement, as a starting point.  In the example below, I’ve applied Heading Styles 1, 2 &amp; 3 to the text headings for each of the paragraphs, as shown (you can see the document layout in the Navigation Pane to the left of the document):</span>  </div>

<div> <span>Before you start constructing a ‘real’ precedent document, open up a ‘play’ document and start playing with Styles.  Go ahead and type some text, then apply a Heading Style.  Hit ‘Enter’ to start a new paragrapah and type some more text and apply another Heading Style.  Play around until you are used to how easy it is to apply Styles and how each Heading Style looks (you can go all the way to Heading Style 9 with Word’s built-in Styles – it’s extremely unlikely that you will need more Heading levels than 9!)</span>

<span>Now that you have your ‘play’ document in place, go ahead and press ‘Ctrl’ and ‘F’ keys on your keyboard to bring up Word 2010’s Navigation Pane (or however you normally bring it up)</span> </div>

X</a>, the current version of the widely-used program for creating and sharing 
professional-level PDF files. Like many design changes, the new layout is 
jarring for people familiar with Acrobat 8 and 9 but most of it works well after 
you become familiar with it.</p>
<p>Acrobat 8 and 9 had a <em><a href="http://help.adobe.com/en_US/Acrobat/9.0/Standard/WS2DE764BD-5706-4e3a-9360-5F2F968223AC.w.html">typewriter 
tool</a></em> that made it easy to add text to a PDF – click the typewriter tool 
button, click in the document, and start typing.</p>
<p>The typewriter tool is still there in Acrobat X but it’s been moved and 
renamed. I’ve discovered that even long-time Acrobat users don’t always know how 
easy it is to type extra text in a PDF.</p>

<p><img class="align-right" src="http://main.makeuseoflimited.netdna-cdn.com/wp-content/uploads/2012/02/onenote-300.png?323f2c" alt="onenote tips">I am going to ruffle a few feathers here by saying that Microsoft OneNote is just as good as Evernote. <a href="http://www.makeuseof.com/tags/evernote/">Evernote</a> is probably more barebones and easier to handle, while OneNote is the digital equivalent of a binder, giving you more organizational control.</p>
<p>The showdown will continue, so for the sake of productivity and peace, let’s say that both are great note-taking apps with their pros and cons. I use both, as and when the purpose dictates it. And I have come to love both because they have made me more organized with my note-taking.</p>

    <title>This Week in the Garden - Late Summer Edition</title>

      <![CDATA[<p>The week has been glorious - lots of rain, lots of sun and seasonal temps.  The weeds are under control and a few new plants have found a home.  I made my annual trek to Niagara on the Lake - to a small nursery that I love to visit (but try not to go too often - my chequebook can't take the strain) <a href="http://www.oldetownegardens.ca/about.html" title="Olde Town Gardens" target="_blank">Olde Town Gardens</a>.  It feels odd to drive past a house into a back yard, but once there I feel like a kid in the candy store - wanting one of everything.</p>
<p>The garden has definitely taken on a late summer feel - with few blooms and leaves fading, but still beautiful</p>
<p>Helenium is in full swing.  Now that the rain is plentiful, so are the blooms.</p>

<p>You should read Mat Honan’s <a href="http://www.wired.com/gadgetlab/2012/08/apple-amazon-mat-honan-hacking/all/">heartbreaking 
tale of a hack attack</a> and the ensuing discussion on <a href="http://www.techmeme.com/120806/p59#a120806p59">Techmeme</a>. 
Much of the story is about Amazon or Apple’s security practices, but I would 
still advise everyone to <a href="http://support.google.com/accounts/bin/answer.py?hl=en&amp;answer=180744">turn 
on Google’s two-factor authentication</a> to make your Gmail account safer and 
less likely to get hacked.</p>
<p>Two-factor authentication means “something you know” (like a password) and 
“something you have,” which can be an object like a phone. Here’s a simple video 
about how it works:</p>

    <p>I turned on two-factor authentication after my gmail was hacked (thankfully my experience, while awful enough, was not nearily as horrific as Mat Honan's).  Two-factor verification is a minor inconvenience for a major step-up in security.  Totally worth it.  Watch the video first, if you have a google account, then head off to your google security settings and set up the two-step.</p>

    <title>This Week in the Garden - End of the Beginning Edition</title>

      <![CDATA[<p>The heat and drought finally broke.  For good this time.  I think...fingers crossed.  Saturday was brutally hot; Sunday - rainy and humid; holiday Monday - perfection!  The August holiday Monday always brings a little melancholy - it's a marker for the end of the best of the season (even if it's been a brutally hot one).  The late summer flowers are in full swing and beautiful as always.  But looking at them, I know they're late summer flowers and they make me think of things I'd rather not think about.  Things like falling leaves and killing frosts.</p>
<p>The society garlic is in full swing.</p>

It is straightening out its product brands, giving virtually everything a consistent design, and adapting to a world where mobile devices and multiple form factors are replacing traditional desktop computers.</p>
<p>This week’s announcement potentially carries as much weight as Microsoft’s other 2012 blockbusters – the radical reinvention of Windows and Office, the Surface tablet, the revamped server lineup and more.</p>
