Most companies running AI today are running experiments. A tool gets approved, a handful of people start using it, a few wins get shared in Slack, and leadership calls it an AI initiative.

The outputs look impressive. The business results are harder to point to.

Most companies running AI today are running experiments. A tool gets approved, a handful of people start using it, a few wins get shared in Slack, and leadership calls it an AI initiative.

The outputs look impressive. The business results are harder to point to.

That gap has nothing to do with technology. Everyone has access to the same models, the same platforms, and the same capabilities. What separates the companies making real progress from the ones stuck in experimentation is the thinking that happens before any tool gets deployed.

We've worked through this with organizations across healthcare, SaaS, manufacturing, and senior living. What we keep finding is that the companies making genuine progress with AI aren't the ones that move fast. They're the ones that ask four questions before they start—and most organizations have only seriously thought through one of them.

Over the past several years of working through this with clients, we've organized these questions around four dimensions:

Platform: What does your AI actually know about your business?

Process: Are your workflows designed for the ways work actually happens now?

People: Who on your team will manage the AI agents?

Policy: What have you decided AI is and is not allowed to do?

The labels matter less than the sequence. But if you want a shorthand for where most AI strategies break down, this is it.

1. What Does Your AI Actually Know About Your Business?

This is the spot where nearly every AI initiative breaks down, and it's almost always the last question anyone asks.

AI tools are only as useful as the context they can access—your customer data, deal history, brand voice, product documentation, and service playbooks. Strip that context out, and you're running a very expensive autocomplete.

When we evaluate an organization's readiness to deploy AI agents, the first thing we look at is the data layer underneath the ambition. Are deal stages clean and consistent, or does every sales rep interpret "Proposal Sent" differently? Are customer conversations being captured in calls, emails, and chat transcripts, or is your most valuable institutional knowledge locked in someone's head? Is your knowledge base current enough to trust, or would an agent trained on it quote last year's pricing?

This matters because AI doesn't compensate for bad data. It amplifies it. An AI agent making outreach decisions on incomplete contact records makes the wrong decisions at scale, faster than any human ever could.

The fix is not glamorous. It involves auditing fields, standardizing taxonomies, enabling call recording, syncing email, and updating documentation nobody has touched in six months. We've had clients push back on this work as too foundational and too slow. The ones who skipped it came back six months later with AI agents producing outputs nobody trusted.

Do the foundation work first. Everything built on top of it gets better.

2. Are Your Workflows Designed for the Ways Work Actually Happens Now?

Dropping an AI tool into an existing workflow is a quick way to build something that runs slightly faster and breaks in new ways.

Most processes inside a company were designed around human coordination, because that was the only option. Work moved from one person to the next, each adding a contribution and passing it along. Every handoff created a delay. Every delay created a place where context got lost.

AI agents change the fundamental unit of work. When it's designed correctly, a workflow that once required three people and four days of back-and-forth can move from brief to delivery with a single human checkpoint. That's a structural change, not a speed increment.

The question worth asking is "Which handoffs can we eliminate?" Instead, most organizations ask, "Which tasks can AI help with?" Those are different questions, and they lead to very different outcomes.

One challenge we see consistently: Organizations layer AI into their existing process instead of redesigning the process around AI. The result is a workflow that's marginally faster but significantly more complicated, because now humans and agents coordinate with each other the same way humans used to coordinate with each other.

A better approach is to map the end-to-end workflow, identify where agents can own entire sequences without a human touchpoint, and define exactly where human judgment needs to stay. That requires an honest view of what AI agents actually do well—research, synthesis, drafting, routing, and enrichment—and where human judgment creates value that AI agents can't replicate.

The teams that get this right move faster and make fewer errors. The coordination friction that generates most errors is gone.

3. Who on Your Team Will Manage the Agents?

Here's what I keep telling clients: A competitive edge over the next five years won't come from which AI tools you use, because everyone will have access to the same tools. It will come from how well the people in your organization manage them.

For most of the past decade, the value of a skilled marketing coordinator, sales rep, or customer success manager lived in execution. How well they wrote the email. How thoroughly they ran the research. How consistently they updated the record. AI agents handle that execution layer now. The value of a human above an AI agent shifts to something different: setting direction, evaluating outputs, catching errors before they compound, and adjusting parameters when results drift.

That's a different skill than most organizations have trained for. Teaching someone to use a tool is straightforward. Teaching them to manage an AI agent, evaluate its outputs with consistency, and build the judgment to know when to override it takes real, deliberate investment.

There's also a spectrum worth understanding. Some AI tools work alongside people in real time, reviewing a call, drafting a follow-up, or suggesting a next step. Others operate autonomously while your team sleeps, researching 200 accounts overnight, populating a content calendar, or monitoring a support queue. Managing one in the moment and managing the other as it runs independently are fundamentally different competencies. Most organizations are training only for the first.

We've seen this play out with clients where AI agent deployment stalled, not because the technology failed, but because nobody had been trained to evaluate agent outputs with any consistency. The AI agents were producing, but nobody knew what "good" looked like.

Both skill sets need to be built. The organizations building both are pulling ahead of the ones still treating AI adoption as a tool rollout.

4. What Have You Decided AI Is and Is Not Allowed to Do?

Governance is almost always the last thing organizations think about and the first thing that becomes a problem.

The decision is whether to govern AI before something goes wrong or after. The reactive version involves a compliance incident, a data exposure, a brand-damaging output, or a regulatory question someone has to answer under pressure. The proactive version involves making deliberate decisions up front about what AI agents can access, what they can execute without review, what needs a human checkpoint, and what stays human-led regardless of efficiency.

The way we structure this with clients uses three clear zones:

The first covers tasks where agents can operate autonomously: data enrichment, internal task creation, research, and meeting transcription. The downside risk is low, and the oversight cost isn't worth the time.

The second covers tasks where agents do the work, and a human reviews it before anything ships: customer-facing communications, content, and routing decisions. Quality and brand consistency are non-negotiable.

The third covers decisions that stay human-led regardless of what the agent could produce: contract negotiations, strategic account planning, and executive communications. The judgment and accountability required here belong to a person.

What makes this a strategic question rather than an operational one is that these zones move. A task that sits in the "human-reviewed" category today may move to "fully autonomous" in six months, once quality has been validated at scale. Governance models designed to evolve perform very differently from those designed to restrict. Most organizations build the latter.

This conversation also belongs to more than the IT team. Decisions about which zone a task lives in reflect business priorities, brand standards, risk tolerance, and a view on where human judgment creates value that AI agents can't replicate. Those are leadership decisions that happen to have technical implementation.

Turning Experiments into a Strategy

Companies making real progress with AI over the next 12-18 months will be the ones that took these questions seriously before they started deploying. Clean data feeds smart agents. Workflows are designed for human-AI collaboration, not retrofitted for it. Teams are trained to manage agents. A governance model is built to evolve, not restrict.

If you want to pressure-test where your current AI approach has gaps, or you're in the early planning stages and want a framework for getting this right, take this free assessment to measure your AI progress.

If you're a HubSpot user, you know the feeling: Another month, another dozen HubSpot product updates.

Missing critical updates means falling behind competitors and not leveraging your full HubSpot investment. But who has the hours to watch every product announcement? And which ones actually matter for your day-to-day work?

If you're a HubSpot user, you know the feeling: Another month, another dozen HubSpot product updates.

Missing critical updates means falling behind competitors and not leveraging your full HubSpot investment. But who has the hours to watch every product announcement? And which ones actually matter for your day-to-day work?

That's why we created SmartTake, SmartBug's monthly series that curates the most essential HubSpot updates. Every month, Paul Schmidt, VP of Marketing & Innovation at SmartBug, and Brian Wettach, Strategic Partner Development Manager at HubSpot, filter out the top features and show you exactly how to use them. This recap focuses on the five game-changing releases from our October 2025 session, which covered HubSpot's September 2025 updates.

Here are the top five takeaways:

Marketing Hub: AI referral tracking for deep traffic insights.

Content Hub: Custom AI landing pages for fast, branded content.

Sales Hub: Deal Loss Agent to turn setbacks into strategy.

Data Hub: Data Agent for automated customer intelligence.

Continue reading, or scroll down to watch these updates instead.

Takeaway 1: Marketing Hub Tracks AI Referrals for Deeper Traffic Insights

HubSpot has included AI as a referral source in website traffic analytics. Previously, traffic coming from large language models (LLMs) such as ChatGPT, Claude, and Perplexity was often lumped into a generic "other" category. Now, HubSpot categorizes LLM traffic as a distinct referral source, providing the visibility you need.

The update is now available in standard website traffic analytics tools.

Why This Matters for Marketers

Here is the key insight: Traffic generated by AI tends to convert at a significantly higher rate compared to traditional channels, such as organic or direct traffic. This is revenue-impacting data, not just a vanity metric.

If you are seeing your organic traffic numbers dip, this update can explain where that audience is going. It proves the ROI of your answer engine optimization (AEO) efforts and helps you justify budget allocation toward AI-optimized content by clearly showing the evolving customer search behavior. This feature helps marketers understand how AI-driven platforms are sending traffic and how to optimize content for discovery through AI assistants.

Practical Applications for Your HubSpot Product Strategy

Paul outlined three immediate, practical use cases for this new data:

Reporting and monitoring: Track AI traffic growth month over month. Include this data in executive dashboards to demonstrate the importance of this emerging channel and compare AI conversion rates against organic or paid channels.

List building and segmentation: Create smart lists of contacts who found you via LLMs. Segment these high-intent prospects for targeted nurture campaigns and build separate workflows designed for AI-sourced leads.

Lead scoring enhancement: Because AI referral traffic converts at a higher rate, incorporate it into your lead scoring calculation. Assign higher point values to the AI referral source to ensure sales prioritizes these leads.

Getting Started with Answer Engine Optimization (AEO)

Tracking AI referrals is the start; optimizing for them is the next step. Brian mentioned the answer engine optimization (AEO) strategy tool is currently in private beta, so reach out to your customer success manager for potential access.

You can start today using HubSpot’s free AEO Grader. This tool scans your site, creates a strategy map of your content, and provides insights into how you are performing within LLMs.

Action item: Review your current AI referral traffic in HubSpot analytics (Reports → Analytics Tools → Traffic Analytics → Sources). Once those leads are flowing, you can begin leveraging HubSpot Marketing Hub for lead nurturing with targeted, AI-informed campaigns.

Takeaway 2: Content Hub Supercharges Landing Page Creation with Custom AI Templates

How many similar landing pages does your team have to create each month or quarter? Event marketers, account-based marketing teams, and demand gen managers know the pain of repetitive page creation.

The recent update is simple: You can now use AI to build landing pages with your own custom landing page templates. Previously, AI generation was limited to HubSpot's default templates. This new ability to use custom templates is available to Content Hub Pro and Enterprise customers.

Who Benefits Most?

This update is a major efficiency boost for teams that need brand consistency at scale:

Event marketers: Create similar pages for monthly webinars or regional conferences.

ABM teams: Build custom landing pages for target accounts using a proven template structure.

Demand gen teams: Run concurrent campaigns that require the same page structure across different buyer personas.

The update eliminates the dilemma of choosing between speed and brand standards.

A Quick Walkthrough of How It Works

Select your custom template. Choose your pre-built custom template from the landing page tool.

Fill out the AI prompt form. Describe what your page is about, the event details, your audience, and visitor goals. You can upload supporting files (e.g., PDFs, bios) to give the AI more context.

Click "Generate with Breeze." The tool creates the page in about 30 seconds to a minute.

This process gets you about 85 percent of the way there. It does require human review to refine the content and ensure it is fully polished before publishing.

Time savings: If traditional page creation takes 2-4 hours, this process cuts that down to 30-45 minutes of input and refinement. This increase in ROI scales with every additional page you create.

Takeaway 4: Data Hub's Data Agent Automates Customer Intelligence

Think about the time a sales rep spends on manual account research. It could take 30-40 minutes per account to populate CRM notes. Multiply that, and the time sink is massive.

Data Agent is an AI-powered enrichment tool within Data Hub that solves this. It automatically populates "smart properties" in your CRM by searching and combining data from both internal and external sources. Data Agent spans your entire CRM, offering instant insights across marketing, sales, and service data.

Key Use Cases for Sales and Marketing

Use Case 1: Account Research

Data Agent drastically cuts the manual effort for sales reps by automatically surfacing:

Recent company news and industry trends.

The competitor landscape and current tech stack.

Specific pain points mentioned in internal conversations.

Use Case 2: Hyper-Personalization

The unique value is combining data sources. Brian provided a powerful example: A rep mentions on a call that their Marketo contract renews in Q3. Data Agent captures this from the call transcript, updates a smart property, and gives marketing the option to trigger a perfectly timed "Switch to HubSpot" campaign.

How It’s Different from Other Tools

The differentiator is contextual intelligence:

Clay/Claygent: Clay primarily searches the external web. Data Agent combines external data with your unique internal CRM data.

ZoomInfo: ZoomInfo provides firmographic data. Data Agent provides firmographics plus conversational insights, such as competitor renewal dates mentioned on sales calls.

How to use it: You can create a smart property with a natural language prompt (e.g., "What are the main pain points or challenges faced by this company?") and select your data sources. You can then manually run a "Smart Fill" (10 cents per fill) or automate the process via a workflow.

Resource: The SmartBug team built a Data Hub agent idea generator. You can input your domain and get 10 custom ideas for third-party data to pull into the tool.

When implementing HubSpot for financial startups, data enrichment like this is essential for scaling quickly.

Takeaway 5: Breeze Studio Unlocks Efficiency with Custom Assistants

If you use custom GPTs, Gems, or Claude projects for personal productivity, you know how powerful these tools can be. The problem is that they live outside your HubSpot ecosystem.

Custom assistants are your own internal GPT-style agents built within Breeze Studio. They allow you to create specialized AI helpers, like building custom GPTs but within HubSpot, using your specific knowledge base, accessed directly in the HubSpot interface.

A Real-World Example

A constant time drain for sales and delivery teams is answering: "Have we worked with a client in this industry or on this type of project before?" Manually searching through the CRM, Google Drive, and internal documents can take nearly an hour per request.

The SmartBug team built a Client Example Finder custom assistant to solve this. A rep simply asks the assistant for relevant examples, and it searches client records and project data to surface them. This simple HubSpot product feature is saving the sales team approximately 10+ hours per week.

Start Building Your Own Assistants

Brian noted that HubSpot uses a Sales Rules assistant to answer internal questions about deal rules, account ownership, and commission structures—knowledge that is often difficult to decipher for new team members.

Ask yourself: What questions does my team answer repeatedly?

What knowledge is scattered across different internal systems (e.g., knowledge bases, drives)?

What requires deep, specific institutional knowledge?

Key benefit: Custom assistants are FREE and do not require credits. You can build as many as you need to remove friction from AI adoption.

You can get ideas by exploring more client success stories from SmartBug Media and thinking about what facts your teams always need to recall.

ATS vs CRM: Why Staffing Firms Need Both for a Modern Tech Stac

Your applicant tracking system (ATS) is the backbone of your recruiting operations, but let’s be honest—is it also a bottleneck?

For many staffing firms, the platform that’s essential for tracking placements is the same one creating friction. It’s a logistical workhorse that falls short on candidate engagement and pipeline visibility. And if you're tired of the data silos and clunky workflows, you've probably asked the question: Is it time to fire our ATS?

The answer isn't always a simple yes or no. The real solution lies in building a tech ecosystem in which each platform serves a distinct, powerful purpose.

In a recent episode of SmartBug on Tap, our VP of Sales, Alexandra Whitmore, sat down with Abigail Allen, our SVP of Sales and a staffing industry veteran with two decades of experience, to tackle this very issue. Their conversation provides a clear framework for navigating the customer relationship management (CRM) versus ATS debate, elevating your candidate journey with HubSpot, and determining your best next move.

Table of Contents

Comparing CRM vs. ATS: What’s the Difference?

Supercharging the Candidate Journey with HubSpot

Your Next Move: Reposition, Integrate, or Replace?

Building a Tech Stack That Grows with You

ATS vs CRM: Key Differences for Staffing Firms

At the heart of the tech stack debate is a fundamental misunderstanding of what each system is built to do. In fact, many common CRM strategy pitfalls stem directly from this confusion.

A key point Abigail emphasized during the podcast is that firms treat their CRM and ATS as interchangeable, which is like confusing a filing cabinet with a communications hub. One is for storage and processes, the other is for engagement and relationships.

What an ATS Does (and What It Doesn’t)

An ATS is a powerful logistical tool designed for a specific, linear process: posting jobs, parsing resumes, ensuring compliance, and moving candidates through the interview stages. Its primary job is to manage applicants efficiently. The limitation? It’s not built for nurturing long-term relationships.

Why Staffing Firms Need a CRM for Engagement

A CRM platform is your system of engagement, designed to manage relationships with both clients and candidates—a unique challenge for staffing firms known as the "double funnel." Its core functions include tracking sales pipelines, automating marketing outreach, and providing a 360-degree view of every interaction.

When firms try to force one system to do the other's job, it leads to missed follow-ups, zero marketing automation, and a complete lack of sales pipeline visibility. This mismatch creates friction, drains resources, and leaves opportunities on the table.

How HubSpot Enhances ATS with CRM Capabilities

Where a traditional ATS sees an applicant, HubSpot sees a relationship. Instead of a transactional process in which candidates either get placed or fall off the radar entirely, you can create an engaging, long-term experience.

Abigail noted that the biggest wins for firms using HubSpot come from a few key capabilities:

Automated nurturing: You can build workflows that automatically send relevant job alerts, share valuable content, or keep your "silver medalist" candidates warm for future opportunities. This transforms your database from a static list into a dynamic talent pool.

Enhanced visibility: HubSpot tracks candidate engagement, including who is opening your emails, clicking on job postings, and visiting your site. This gives recruiters powerful insights into who is most interested and allows marketing and sales teams to work in lockstep from a shared, unified platform.

Seamless integration: The goal isn’t always to replace the ATS but to enhance it. When you integrate your ATS with HubSpot, data flows seamlessly between them. Your ATS handles back-end logistics, while HubSpot manages all front-end communication, creating a single source of truth for your entire team.

This integrated approach lets you leverage the best of both systems. That leaves one critical question: Should you reposition your current ATS, or is it time to replace it entirely?

Your Next Move: Reposition, Integrate, or Replace?

Knowing that a healthy tech ecosystem is possible is one thing; deciding how to achieve it is another. According to Abigail, the decision to integrate your ATS with a CRM versus replacing it entirely comes down to a few key factors. If your ATS is still functional but your teams are struggling with visibility and engagement, a better integration with HubSpot is likely the answer.

However, if you're experiencing deeper issues, it might be time for a change. Here are a few signs that your ATS is holding you back:

Low user adoption: Your recruiters actively avoid using the system because it’s clunky, slow, or creates more work than it saves.

Zero sales visibility: Your sales team has no idea where candidates are in the submission process, leading to friction and missed opportunities.

Disconnected data: Your teams are manually entering the same contact information into multiple systems, wasting time and creating errors.

Poor candidate experience: Candidates complain they never hear back, or they receive generic, irrelevant communication from your firm.

A healthy tech stack allows your ATS to be the efficient processing engine it was built to be, while HubSpot acts as the central cockpit for managing relationships, automating outreach, and providing clear visibility across the entire business.

Building a Tech Stack That Grows with You

Forcing an outdated ATS to do the job of a modern CRM is a recipe for inefficiency and frustration. The goal isn’t just to have technology, but to have a strategic ecosystem in which the right tools are used for the right jobs. By pairing a functional ATS with a powerful CRM like HubSpot, staffing firms can stop wrestling with their software and start building better relationships with clients and candidates alike.

Ready to assess if your tech stack is helping or holding you back? Schedule a consultation with our team or download our CRM/ATS evaluation checklist to figure out your next best step.

In a recent episode of SmartBug on Tap, host Alexandra Whitmore, the VP of Sales at SmartBug Media, spoke with Sandy Moore, the company’s Senior Director of Account Strategy, to discuss a common challenge for staffing firms: a customer relationship management (CRM) system that is not fully supporting business growth.

The episode explains what staffing firms often misunderstand about their CRM strategy, from disorganized data and low user adoption to disconnected handoffs between sales and recruiting. Together, Whitmore and Moore detail how a more adaptable CRM like HubSpot can provide a better solution for firms looking to improve their operations. Moore, who has experience helping clients streamline their systems, shared her professional insights on how to align sales, marketing, and recruiting within one centralized system.

Why the Double Funnel Creates Double the Trouble

In the staffing industry, firms deal with two distinct groups of people: clients (companies with hiring needs) and candidates (individuals seeking employment). This creates what is known as a “double funnel.” While both groups are essential to the business, their journeys are completely different. Most CRMs are not built to handle this complexity, which leads to significant operational friction.

According to Moore, trying to manage both sides in a single system often leads to missteps that can hinder an entire business:

Teams step on each other's processes. Sales and recruiting teams may unintentionally interfere with one another's work.

Candidates are treated like customers. This blurs the lines between the two very different relationships and can lead to a poor experience for job seekers.

Workflows and metrics become disorganized. Generic workflows fail to address the unique needs of each team. Metrics that are crucial for recruiters—like time-to-fill—can get lost in sales-focused dashboards.

Many traditional or legacy CRMs force a choice: they are built to support either sales or recruiting, but rarely both. To make them work for a double-funnel model, firms often have to resort to expensive workarounds and third-party add-ons.

This is where a flexible CRM can help. Unlike legacy systems, a platform like HubSpot is designed to support complex, multi-pipeline operations. Its architecture allows for:

Custom objects, which enable firms to create unique data models for both clients and candidates.

Custom pipelines, so each journey has its own defined stages.

Segmented reporting and automation, ensuring that both sales and recruiting processes run smoothly in parallel.

One CRM, Two Journeys: How to Make It Work

With a more adaptable CRM, staffing firms can build a system that supports both client acquisition and candidate placement in a parallel and connected way. This requires a thoughtful approach to designing your processes and workflows.

1. Create Separate Pipelines

Establish a dedicated pipeline for client acquisition that tracks prospects from lead to partner. At the same time, create a separate pipeline to manage the candidate lifecycle, from initial sourcing to placement. While they are separate, it is important to maintain visibility between them so that teams can see progress and status across both sides of the business.

2. Standardize Your Criteria

To keep funnels clean and collaborative, use clearly defined stages for both clients and candidates. For example:

For clients, stages might include “Client Discovery” or “Qualified Need.”

For candidates, stages might be “Candidate Engaged” or “Interviewing.”

3. Set Clear Rules

Within the same system, it’s crucial to avoid any miscommunication. Moore recommends the following:

Establish ownership rules: Assign clear ownership to each record. For example, a recruiter manages candidate records while a salesperson manages client records. Both can still add notes or tag colleagues to collaborate.

Use permissions: Control who can see or edit specific information and records. This prevents accidental changes or duplicate outreach from different teams.

Automate handoffs: Trigger automatic notifications when a new client need matches a candidate's profile. This ensures a seamless handoff between recruiting and sales without additional effort.

4. Customize Your Dashboards

Give each team a dashboard that shows their most important metrics. Recruiters might need to see information about open jobs and candidate availability, while sales can focus on revenue projections. This ensures that every team member has access to the information they need to succeed.

From Headache to Harmony: Quick Wins and Smart Shifts

When a CRM feels more like a data warehouse than a growth engine, it’s time for a reset. Starting with a few key steps can make a significant difference:

A Quick Win

Moore suggests that a staffing leader's first step should be to audit their current CRM and processes. This will help you identify what is working and where the gaps are. A third-party audit from an agency can provide an unbiased perspective.

A Long-Term Shift

To prevent long-term burnout, Moore says that firms must work from one source of truth. When everyone is aligned and uses the same system, they stop duplicating efforts and start collaborating, which makes the entire process more efficient.

This is where an agency like SmartBug Media can help. Our team specializes in optimizing HubSpot for staffing firms and can assist with:

Building custom pipelines for both candidates and clients

Integrating an existing ATS so you do not have to replace it

Automating handoffs, alerts, and nurture workflows

Enabling clean reporting for leadership and team-level visibility

If your CRM feels like it is holding you back, it might be time for a change. You can get started by scheduling a CRM audit.

In a recent SmartBug on Tap episode, host Alexandra Whitmore, our VP of Sales, and guest Casey Peddicord, Senior Director of Channel Sales, discussed how to shift a customer relationship management (CRM) system's purpose from a simple reporting tool to a revenue-generating engine. The conversation explored the difference between merely using a CRM versus actively optimizing it, and outlined how platforms like HubSpot can help unify sales, marketing, and recruiting efforts to drive growth.

Today, we use their discussion as a jumping-off point to dig into ways that staffing firms can combat common challenges, including:

User resistance

Low data quality

Manual workarounds

Lack of integration

So, why do so many staffing firms struggle with CRM adoption and usage? Below, we outline five common pain points for these organizations and how HubSpot can help save the day.

Table of Contents

Pain Point No. 1: Recruiter and Sales Rep Adoption Is Low

Pain Point No. 2: No Visibility into Candidate or Client Journeys

Pain Point No. 3: Disconnected ATS and CRM Systems

Pain Point No. 4: Follow-Ups Fall Through the Cracks

Pain Point No. 5: Reporting Is a Nightmare

Take Control of Your Staffing Firm’s CRM

Pain Point No. 1: Recruiter and Sales Rep Adoption Is Low

With so much data going in and out, it’s not unusual for a CRM to become little more than a “data dump” or compliance checkbox. Eventually, recruiters and business directors avoid using it altogether because it feels clunky or irrelevant. As a result, notes and follow-ups end up in disparate spreadsheets, or, worse, are not tracked at all.

How HubSpot Helps

A customizable, user-friendly interface makes HubSpot a system recruiters and sales reps actually want to use. Not only does it offer native Gmail and Outlook integrations to log emails and calls, but it’s also available as a mobile app and Chrome extension for on-the-go convenience.

Pain Point No. 2: No Visibility into Candidate or Client Journeys

Lack of visibility across the lifecycle is another challenge staffing firms face when developing their CRM strategy. Handoffs from the sales team to recruiting to client delivery are fragmented. As a result, both staff and clientele suffer. With no centralized timeline of interactions or context for follow-up, leadership can’t see what’s happening in real time.

How HubSpot Helps

HubSpot’s features support unified contact and company records with activity timelines for maximum visibility. Plus, deal pipelines, task queues, and workflows are easily customized for specific staffing use cases. Custom reporting dashboards show the full journey from lead to placement.

Pain Point No. 3: Disconnected ATS and CRM Systems

Within a firm, data often lives in silos: client interactions are stored and managed within the CRM, and candidate interactions are located in the applicant tracking system (ATS). This causes teams to duplicate efforts and miss opportunities because there’s no shared, single source of truth for the business.

How HubSpot Helps

HubSpot’s flexible APIs and middleware allow bidirectional sync with popular ATS tools. Additionally, SmartBug supports HubSpot integrations that keep recruiters and sales aligned without the need to overhaul or switch the ATS. The resulting shared, accessible data improves team collaboration and accelerates placements.

Pain Point No. 4: Follow-Ups Fall Through the Cracks

How do you keep leads warm? All too often, leads go cold because there’s no follow-up automation or task triggers. The consequence is recruiters forget to check in with candidates, and sales team members miss the ideal time to reengage clients.

How HubSpot Helps

A sales platform like HubSpot offers sequences and workflows for automated email follow-up and task creation. Task queues keep reps and recruiters on track, and lead scoring helps prioritize high-intent contacts.

Pain Point No. 5: Reporting Is a Nightmare

If reports live in spreadsheets or require manual data pulls from multiple tools, there’s no way for teams to confidently track performance, lead source ROI, or pipeline health. Without the necessary data-backed insights, leadership cannot optimize sales and recruiting operations.

How HubSpot Helps

Through custom dashboards for pipeline, candidate flow, recruiter activity, and deal velocity, HubSpot makes reporting a breeze. The interface comes complete with source and campaign attribution—great for marketing-supported business development teams. These advanced reporting features provide real-time visibility into what's working and what’s not.

Take Control of Your Staffing Firm’s CRM

If your CRM feels more like a data graveyard than a growth engine, it’s time for a reset. Staffing firms of all sizes have made the switch to HubSpot and are seeing quick results. It doesn’t have to involve an entire CRM overhaul, and migration can be completed in as little as a few weeks.

Reach out to the HubSpot pros at SmartBug Media to discuss how we can facilitate adoption, administration, and workflow automation.

INBOUND 2025 has been packed with exciting announcements. “Unified” is music to my ears. But possibly the most exciting reveal of all is the new features in Data Hub. After all, the most powerful revenue operations automation in the world is powerless without sufficiently clean and accessible data.

INBOUND 2025 has been packed with exciting announcements. “Unified” is music to my ears. But possibly the most exciting reveal of all is the new features in Data Hub. After all, the most powerful revenue operations automation in the world is powerless without sufficiently clean and accessible data.

HubSpot's Operations Hub was originally introduced to combat the common issues businesses face as they grow: disconnected systems, siloed data, and plummeting efficiency. It offered a cohesive set of tools to link applications, clean and organize customer data, and automate business processes on a single platform.

The hub previously included five main features:

Data Sync: For seamless, two-way data flow between apps.

Programmable Automation: For custom code and webhooks within workflows.

Data Quality Automation: To automatically fix common data inconsistencies.

Data Quality Overview: A central dashboard for identifying data issues.

Datasets: Advanced spreadsheet-like tools for building custom reports.

Although Operations Hub served as a critical tool for RevOps professionals—connecting systems, managing data, and automating complex tasks—some users found its technical nature challenging.

This is the key reason behind the evolution of Operations Hub into Data Hub. It maintains the same robust capabilities, but with a new suite of features designed to be more intuitive and accessible to a wider audience—no advanced technical degree required.

Introducing the All-New Data Hub

Data Hub is a comprehensive evolution, incorporating both familiar and brand-new functionalities. We'll highlight the latest additions, but it's important to note that the following features are all part of the new Data Hub:

Data Studio

Data Quality

Data Warehouse Integrations

Data Sync

Programmable Automation

Duplicate Management

AI-Powered Data Formatting Recommendations

Live Spreadsheet Integration

Advanced imports

Reverse ETL

Datashare

Data Hub also contains many additional secondary features.

Data Studio

Datasets are a legacy power feature in Operations Hub for creating calculated fields and custom reports. Data Hub introduces a complete reimagining of this tool with the launch of Data Studio.

Datasets previously allowed users to pull data from various sources within HubSpot and apply formulas to generate new data points, such as annual recurring revenue or commission tiers. This capability was crucial for building custom reports and streamlining the reporting process.

Data Studio takes this functionality to the next level. This new feature leverages AI to automatically transform disconnected data from multiple sources into organized, actionable datasets, all within an intuitive interface.

By making advanced data blending and transformation more accessible, Data Studio empowers non-technical users to combine data from across their entire tech stack. This creates a single source of truth that seamlessly feeds into HubSpot’s Smart CRM, powering smarter segmentation, reports, and workflows.

Data Studio: The Solution for Disconnected Data

HubSpot developed Data Studio to solve a major problem for marketing and sales teams: the constant struggle with disconnected data. Previously, valuable customer information was trapped in separate systems, requiring time-consuming manual exports, cleaning, and imports. This not only created data silos but also prevented teams from having a complete view of their customers.

This technical barrier often meant that marketers and salespeople had to rely on technical specialists to access and combine data, leading to delays and missed opportunities. Hours were lost each week to the tedious process of copying information between spreadsheets and HubSpot, pulling valuable resources away from strategic, high-impact work.

Data Studio changes this by making data management accessible to everyone. Unlike traditional technical tools that demand coding knowledge and developer support, Data Studio offers a simple, spreadsheet-like interface. This empowers marketing and sales teams to work with complex data without ever writing a line of code.

As a native tool within the HubSpot platform, Data Studio also provides an advantage over most data tools that exist outside the core marketing and sales ecosystem. Its deep integration allows for one-click data activation, ensuring that a unified source of truth is always available and actionable across the entire HubSpot platform.

Data Studio Addresses Key Data Challenges

Data Studio is engineered to directly solve four of the most pressing data-related challenges businesses face today:

Limited AI Performance: AI is only as good as the data it's trained on. When AI tools operate with incomplete, fragmented data, their performance is compromised, leading to suboptimal results. Data Studio provides a unified, complete data source, ensuring AI has a comprehensive view of the customer to deliver its full potential.

Manual Data Work: Teams have long been bogged down by the tedious and time-consuming process of manually exporting, cleaning, and importing data. This distracts them from strategic activities. Data Studio automates these processes, freeing up valuable time and resources for more impactful work.

Disconnected Systems: Crucial customer data trapped in disparate systems makes effective reporting, audience segmentation, and personalization nearly impossible. Data Studio breaks down these data silos by blending information from across the entire tech stack into a single, reliable source of truth.

Technical Barriers: The inability of marketing and sales teams to access data without technical assistance has created major bottlenecks and increased costs. By providing an intuitive, code-free interface, Data Studio democratizes data access, empowering non-technical users to work with the data they need, when they need it.

What Data Studio Enables for Customers

Data Studio is a powerful tool that helps businesses achieve a single, unified view of their customer data. It empowers teams to:

Automate Data Integration: By connecting directly to spreadsheets, apps, and data warehouses, Data Studio eliminates the need for manual data exports, cleaning, and imports, saving countless hours and reducing the risk of errors.

Democratize Data Access: Data Studio breaks down silos by making it simple for non-technical users to combine data from across their entire tech stack with the help of AI, creating a single source of truth without requiring specialists.

Enhance Personalization and Segmentation: With all customer data consolidated, teams can build highly targeted segments and create personalized campaigns, enabling more effective outreach and better customer experiences.

Fuel Smarter Operations and AI: Data Studio ensures that teams and AI tools have access to complete and accurate customer information that updates automatically, leading to more confident data activation and superior results.

In essence, Data Studio makes the unified data vision a reality. It transforms fragmented data into clean, enriched datasets using a familiar interface. By seamlessly integrating these datasets into HubSpot's Smart CRM, segments, reports, and workflows, Data Studio makes unified data actionable, empowering teams and their AI to work with complete and accurate customer information.

How Is This Different?

The launch of Data Studio marks a significant shift from the way companies have managed data until now.

Previously, teams were locked in a cycle of manual, disconnected data work. Data was scattered across different systems, requiring constant exports, cleaning, and imports. This led to wasted hours and meant that crucial customer insights were trapped in silos. AI tools, like Breeze, could only operate on the limited data available, resulting in incomplete context and suboptimal performance. Personalization was a challenge because marketers and salespeople lacked a complete, unified view of the customer.

Now, Data Studio provides a fundamental change. It connects directly to spreadsheets, apps, and warehouses, automating data flow and ensuring information is always up to date. With Data Studio, customers can:

Power AI with Complete Context: Breeze now has access to combined, enriched data, enabling it to deliver more powerful and accurate results.

Combine Data Easily: Teams can blend data from multiple sources using an intuitive, code-free interface, eliminating technical barriers and bottlenecks.

Activate Data Instantly: A unified dataset enables the immediate creation of segments and personalized experiences, accelerating campaign execution and improving results.

End Manual Data Management: Automated, continuous data updates mean teams can eliminate manual exports and imports, allowing them to focus on strategic work rather than data maintenance.

Enhanced Data Quality

HubSpot's new Data Quality features are designed to proactively monitor and maintain the health of your customer data. The data quality overview continuously scans your databases to identify and automatically resolve common issues, such as duplicate records, formatting errors, and outdated information. It also enriches customer profiles by automatically pulling missing details from conversations and external sources, ensuring every record is as complete as possible.

The Rationale Behind Enhanced Data Quality

Previously, companies often found themselves in a reactive cycle of data management. Teams spent countless hours manually cleaning data, but without a way to prevent future issues, this work was a temporary fix at best. Data problems were typically discovered only after they had already caused damage—impacting marketing campaigns, corrupting reports, or leading to embarrassing customer interactions.

This constant, manual cleanup became an endless and inefficient process, pulling valuable time and resources away from strategic, revenue-generating activities. Without robust, native data quality tools, businesses were left to discover problems after they had already caused harm, compounding the issue and creating an ongoing struggle for data integrity.

Unlike simple cleanup tools that fix problems after the fact, HubSpot's enhanced Data Quality provides a proactive solution. It prevents issues before they can cause damage by continuously monitoring your databases and automatically applying fixes to common problems, all without the need for manual intervention.

While many enterprise-grade data tools are complex and require dedicated technical teams, Data Quality delivers powerful capabilities through a simple and intuitive interface. This makes advanced data management accessible to everyone, not just data specialists.

Data Quality Solves Three Key Pain Challenges

HubSpot's Data Quality features are designed to address three persistent challenges businesses face with their data:

Reactive Problem Discovery: Data problems have traditionally been found only after they have already negatively impacted business operations—from marketing campaigns and reporting to customer interactions and AI performance. This reactive approach leads to embarrassing errors and lost revenue. Data Quality provides continuous, proactive monitoring to catch and fix issues before they can do any harm.

Manual Maintenance Cycles: Many teams are trapped in an ongoing cycle of manual data cleaning using basic tools or spreadsheets. This not only consumes valuable time but also means that many subtle problems go unnoticed until they become significant. Data Quality automates this process, freeing up teams to focus on strategic initiatives.

Inconsistent Data Growth: As a company's data volume grows with its business, the potential for data inconsistencies and inaccuracies multiplies. Without a systematic approach to monitoring and maintenance, unreliable data can quickly degrade, undermining decision-making and impacting AI performance. Data Quality ensures data integrity scales with the business, providing consistent and reliable information.

Benefits of Enhanced Data Quality for Customers

HubSpot's Data Quality features enable businesses to:

Build Company-Wide Data Trust: With continuous monitoring and maintenance happening in the background, every department can have confidence in the accuracy and consistency of their data.

Automate Tedious Tasks: It replaces time-consuming manual processes with automated, AI-powered tools that consistently maintain clean, reliable data.

Improve Personalization: By continuously monitoring data, the system prevents errors in personalized messages and ensures marketing campaigns and sales outreach are targeted to the correct people.

Boost Data Activation: Clean, reliable data allows teams and AI to activate customer information across the entire platform with confidence, leading to better results.

Ultimately, the Data Quality features within Data Hub ensure a single source of truth by automatically monitoring the Smart CRM and resolving common issues that emerge from integrating different systems. This protects the integrity of your unified customer records, giving all teams the accurate, up-to-date information they need to succeed.

How Is This Different?

The way businesses manage data has changed with the launch of the enhanced Data Quality features.

Legacy: Data maintenance was a reactive and inefficient process. Teams were forced to spend countless hours manually cleaning data, with no way to prevent future problems. Issues often went unnoticed until they had already compromised campaigns or customer interactions. Basic tools were limited to finding only the most obvious duplicates, missing subtle issues that would later cause significant damage, and making manual cleanup an endless, time-consuming cycle.

Post-INBOUND: Data Quality will shift the focus to proactive prevention. The system continuously monitors entire databases, alerting teams to issues before they can impact business operations. This allows customers to:

Automate Problem-Solving: Use AI-powered tools to automatically find and fix common data issues, including complex ones that are difficult to detect manually.

Enrich Customer Records: Keep records complete and up-to-date with smart enrichment that automatically adds new information from conversations and interactions.

Ensure Consistency at Scale: Maintain consistent data integrity with customizable rules that eliminate the need for future cleanup projects, ensuring data stays reliable as the business grows.

Prioritize Strategic Work: Let automated maintenance run in the background, freeing up teams to focus on high-impact strategic initiatives rather than manual data upkeep.

HubSpot’s move to Data Hub makes clean, connected customer data the new default so every team (and your AI) can act from a single, always-live source of truth.

Final Thoughts

With Data Studio blending data from sheets, apps, and warehouses in a spreadsheet-simple, code-free interface—and enhanced Data Quality proactively fixing dupes, formatting, and gaps—you can finally retire the export-clean-import grind. Add warehouse integrations, reverse extract, transform, load (ETL), live spreadsheet integration, programmable automation, and duplicate management, and you get governed data that activates instantly in lists, reports, and workflows—powering sharper segmentation, trusted reporting, and AI you can actually rely on.

HubSpot's AI-powered Breeze platform has received significant enhancements, with four major updates designed to deliver on the "unified platform" vision. These new features are built to streamline workflows and provide deeper, more connected intelligence for your business.

HubSpot's AI-powered Breeze platform has received significant enhancements, with four major updates designed to deliver on the "unified platform" vision. These new features are built to streamline workflows and provide deeper, more connected intelligence for your business.

1. Breeze Customer Agent: This tool has evolved into a comprehensive front-office AI concierge. It can now handle everything from answering basic support inquiries to qualifying leads and scheduling meetings, turning every inbound conversation into a potential opportunity.

2. Breeze Marketplace and Breeze Studio: Breeze Marketplace is where you can discover and install prebuilt agents and assistants from HubSpot, whereas Breeze Studio is the workspace for tailoring these tools to your company's specific needs.

3. Breeze Assistant and Custom Assistants: Previously known as Breeze Copilot, the new Breeze Assistant acts as a personal AI chief of staff with a deep understanding of your business. Alongside this, you can create custom assistants to serve as specialized experts for unique business processes.

4. Breeze Data Agent: This new feature automates the process of gathering customer intelligence. It eliminates the need for manual research by answering specific questions about prospects and customers, drawing on data from your CRM, conversations, and public web sources.

Breeze Customer Agent: Your 24/7 Front-Office AI Concierge

The Challenge

Top-of-funnel conversion is becoming more challenging, making every customer interaction critical. Companies need AI that can act as a team extension, handling the full customer journey with the personal touch required to drive conversions.

3 Common Pain Points

1. Lost Leads from Slow Response: Visitors leave when they can't get immediate pre-sales answers. With 66 percent of customers expecting responses within five minutes, a lack of 24/7 coverage results in lost pipeline.

2. Overwhelming Support Tickets: Service teams are swamped with repetitive questions about important, but mundane topics such as account access and billing. This keeps them from focusing on high-value relationships that drive retention and expansion.

3. Missed Qualification Opportunities: Many website visitors with buying intent leave without being properly qualified. Without real-time qualification, businesses lose opportunities to convert engaged prospects into pipeline.

What's New

Customer Agent has evolved into a 24/7 front-office concierge. It now instantly answers questions and converts inbound conversations into real opportunities.

The agent automatically qualifies prospects and triggers next-best actions such as booking meetings, passing hot leads to reps, and updating CRM records in real time.

It's now a complete front office solution, handling sales qualification, meeting scheduling, and customer service in one unified conversation—a major upgrade to HubSpot's existing capabilities.

Customer Agent helps organizations:

Convert visitors to leads. New lead qualification features instantly answer pre-sales questions, qualify visitors by intent, and book meetings.

Scale support. The agent instantly answers FAQs and resolves basic requests, freeing up human agents for complex issues.

Maintain 24/7 availability. The agent provides round-the-clock support across chat, email, WhatsApp, Facebook, and new voice channels, all with a consistent brand voice.

Competitive Edge

Unlike other platforms that need multiple products and a complex setup, Customer Agent acts as a single, unified AI brain. It effortlessly switches between sales and service functions within one conversation. Thanks to deep CRM integration, it reads and updates records in real time, personalizing every interaction with historical context—a level of intelligence disconnected competitor tools can't match.

How Is This Different?

Legacy: The previous Customer Agent managed text conversations across chat, email, and social channels. It handled basic inquiries but lacked phone support and couldn't qualify leads or book meetings for sales. It simply created a ticket for a human agent to follow up on.

Post-INBOUND: With the new Breeze Customer Agent, a single AI agent now manages your entire front office. It effortlessly adapts to the needs of the conversation, switching roles to drive results at every step of the customer journey.

Users can now:

Qualify prospects and trigger immediate actions such as booking meetings, sending hot leads to reps, and updating CRM records.

Handle voice conversations with the same intelligence and context as text-based chats.

Access HubSpot records directly to get historical data, update properties, and personalize replies with full context.

Use the advanced testing and coaching center to identify knowledge gaps, refine content, and improve agent performance.

View a unified dashboard that tracks qualified leads, booked meetings, resolved tickets, and influenced revenue across all customer agents.

How Customer Agent Is Unified

Customer Agent functions as a single AI brain with seamless access to all your customer data across marketing, sales, and service. Rather than relying on fragmented tools, it uses your unified CRM data to deliver personalized, contextual responses that convert every interaction into a growth opportunity. All of this happens within the HubSpot platform your team already uses. As a result, every conversation is added to the complete customer story, ensuring smooth handoffs between your sales, marketing, and service teams.

Breeze Marketplace & Breeze Studio

The Challenge

3 Common Pain Points

1. Generic AI: The AI doesn't understand your unique business context.

2. Complex Setup: AI implementation requires a difficult technical setup.

3. Disconnected Tools: AI exists in siloed platforms.

What's New

This unified AI management experience is brand new, bringing together agent discovery, customization, and deployment in one seamless workflow.

Breeze Marketplace is the new resource for discovering and installing HubSpot-built agents and custom assistants, placing powerful AI customization at your fingertips.

Breeze Studio is where you manage and tailor these agents and assistants to fit your specific business needs. The Marketplace serves as the discovery layer, and the Studio is where the customization happens, allowing you to create your own specialized "agent teammates" and "custom assistants."

Why It Matters

Teams have been wasting valuable time on manual work or using generic AI that doesn't understand their business. They need AI that can be customized to their specific workflows and industry without requiring technical expertise.

Breeze Marketplace and Breeze Studio help organizations:

Discover new agents. Effortlessly browse, find, and install HubSpot-built agents for marketing, sales, and service in the new Breeze Marketplace.

Tailor agents. Use Breeze Studio to customize agents for your specific business needs—no coding or complex setup required.

Create custom assistants. Build specialized assistants from scratch or use pre-built versions for tasks such as ideal customer profile (ICP) analysis or market research.

Scale AI adoption. Easily scale AI across your teams with intuitive discovery and customization that doesn't require technical expertise.

Competitive Edge

Unlike competitors, Breeze Studio doesn't require a complex technical setup. It allows you to tailor agents and custom assistants to your specific business processes directly within HubSpot's unified platform. This provides powerful AI capabilities without the technical complexity or disconnected tools that other solutions demand.

How Is This Different?

Legacy: Customers wasted time on manual tasks or used multiple, disconnected AI solutions. Generic AI didn't understand their business, forcing teams to juggle tools and workflows.

Post-INBOUND: Breeze Marketplace and Breeze Studio provide a seamless way to discover and customize AI agents, streamlining workflows and boosting efficiency.

Customers will be able to:

Discover HubSpot-built agents in the new Marketplace.

Customize these agents in the Studio to align with specific business needs.

Consolidate workflows by using tailored agents and custom assistants.

Work faster and more efficiently by leveraging complete business context.

Manage the entire AI experience—from discovery to deployment—on a single unified platform.

Access complete customer data inside HubSpot, with no need to switch between disconnected tools.

How Breeze Marketplace and Breeze Studio Are Unified

Breeze Marketplace and Breeze Studio fulfill HubSpot's "unified" vision by creating a complete AI ecosystem. The Marketplace is your curated library for pre-built agents and assistants, while the Studio is where you customize them to your specific business needs.

Together, they form a single platform in which your AI tools can access all your unified CRM data. This delivers consistent, intelligent automation across every team and workflow.

Breeze Assistant & Custom Assistants

The Challenge

Teams often use external AI tools such as ChatGPT or Claude, but these tools lack critical business context—they don't understand your CRM data, company processes, or ecosystem. Businesses need AI tools that provide relevant, actionable help, not just generic answers.

3 Common Pain Points

1. AI Tools That Don't Understand Your Business: Most external assistants (e.g., ChatGPT) don't have access to your CRM data, customer history, or internal processes. This results in generic answers that aren't useful for specific business tasks.

2. Low-Quality AI Inside the CRM: Many existing CRM-based AI tools provide only basic, limited assistance. Each conversation is isolated with no memory, and the results often fall short of modern quality standards.

3. Constantly Switching Between Apps: Teams are forced to manually jump between their CRM, external AI tools, and other applications to get work done. This constant back and forth between systems is inefficient and breaks the natural flow of work.

What's New

AI Chief of Staff: The new Breeze Assistant, previously known as Copilot, functions as your AI chief of staff. This conversational tool is designed to work with you and understands the unique context of your business, much like top-tier models such as ChatGPT or Gemini.

Custom Assistants: These are specialized AI experts tailored to your specific business needs. The entire platform was rebuilt from the ground up, providing a reliable and high-quality experience that addresses previous concerns with Copilot.

New Capabilities: Key new features include persistent memory, advanced research abilities, and access via a new mobile app. Breeze Assistant also connects with apps such as Google Workspace, Microsoft 365, and Slack.

Why It Matters

Users have been struggling to derive value from interfactions with AI that fails to maintain any organizational, market, or process context over time. This disconnect often results in users spending more time wrestling with the AI than it promises to save.

Breeze Assistant and Custom Assistants help organizations:

Get contextual AI help. Connect to third-party data sources for AI that truly understands your business.

Prepare for meetings automatically. New meeting prep features surface relevant context, recent activity, and talking points from your customer data.

Create on-brand content. Generate content that aligns with your brand's voice and guidelines using enhanced creation capabilities.

Work on the go. A new Breeze mobile app and a persistent memory feature let you access your AI chief of staff from anywhere.

Competitive Edge

Unlike external AI that lacks business context, Breeze Assistant provides ChatGPT-quality AI that understands your CRM data and connects to your entire business ecosystem. It links with third-party apps for comprehensive context, and it remembers your preferences across conversations. All of this is integrated into HubSpot, available on both mobile and desktop.

How Is This Different?

Legacy: The previous "Breeze Copilot" provided basic AI help for individual tasks. It lacked a deep understanding of your business, and users experienced significant quality and reliability issues. Every conversation was a blank slate with no memory. Its functionality was limited to HubSpot data and was only available on the desktop app.

Post-INBOUND: Now called "Breeze Assistant," this AI provides ChatGPT-like conversational support that acts as your chief of staff. It understands your CRM data and connects to your entire business ecosystem. It also includes custom assistants trained on your specific company knowledge. The experience has been completely rebuilt to resolve past quality concerns.

How Breeze Assistant and Custom Assistant are Unified

Breeze Assistant and Custom Assistants align with HubSpot's "unified" promise by tapping into a customer's entire business ecosystem. This means they access not only your CRM data but also connected apps, documents, and conversation history.

Unlike external AI tools that lack this crucial context, Breeze Assistant provides intelligent support that understands your complete, unified data and business processes—all from within the platform you already use.

Breeze Data Agent

The Challenge

Marketing, sales, and customer service teams waste too much time on manual research when they need to personalize at scale. Although standard data enrichment offers basic details like job titles, teams require custom intelligence to answer specific business questions, such as whether a company uses a competitor's product or if recent hiring activity indicates a buying cycle. Data Agent fills this gap by providing the precise, custom intelligence teams need.

3 Common Pain Points

1. Time Wasted on Manual Research: Sales reps spend hours researching prospects, while marketers and service teams lack the context to personalize. This manual work distracts from revenue-generating activities such as closing deals and building relationships.

2. Need for Custom Insights: Basic data enrichment is limited. It doesn't provide the unique insights needed for effective targeting, such as whether a company uses a competitor's product or if its CEO has been in the news.

3. Scattered Customer Data: Key information is fragmented across CRM records, conversations, documents, and the web. Without a way to connect these sources, valuable insights remain hidden and opportunities are missed.

What's New

Data Agent is a new feature that researches and answers custom questions about customers by analyzing your CRM data, calls, emails, documents, and the web. Instead of spending hours manually researching prospects, Data Agent automates this work at scale and delivers answers directly to your HubSpot Smart CRM, workflows, and Data Studio.

Instead of manually researching individual companies, Data Agent now continuously answers unique business questions by using CRM data, conversations, documents, and web research.

Teams get the custom insights they need delivered directly within HubSpot, so they can focus on strategy and driving revenue while Data Agent handles the research.

Why It Matters

Data Agent helps organizations:

Get answers to custom questions. Receive the specific intelligence teams need to be more effective.

Scale research across thousands of records. Automate research without needing to hire specialists or spend hours on manual work.

Access complete customer context. Automatically unify insights by combining data from your CRM, conversations, documents, and web sources.

Get insights where you work. Receive insights directly within HubSpot tools like Smart CRM, Data Studio, and workflows, with no new tools to learn.

Competitive Edge

Unlike tools that lack CRM connectivity or require manual work, such as Claygent or ChatGPT, Data Agent combines online data with HubSpot's unified platform. It delivers automated insights right where your team works. Salesforce Einstein requires a complex setup and expensive add-ons, whereas Data Agent is simple to use with straightforward, usage-based pricing.

How Is This Different?

Legacy: Teams spent hours on manual research, digging through scattered data or using external tools that lacked business context. Although standard enrichment filled basic fields, key questions that impacted sales and marketing strategies went unanswered. This resulted in wasted time or missed opportunities due to a lack of custom intelligence.

Post-INBOUND: Data Agent automates this research at scale, working across your entire customer base.

How Is Breeze Unified?

HubSpot's new Breeze updates amplify the power of its unified platform by infusing AI directly into the core of its customer data and business processes. This strategic integration allows the AI to act as an intelligent layer, enhancing the existing unified system rather than serving as a separate, disconnected tool.

The new updates demonstrate this approach in several ways:

Breeze Customer Agent functions as a single AI brain that sits on top of all your customer data across marketing, sales, and service. It leverages this unified data to deliver personalized, contextual responses and seamlessly transition between sales and service functions in one conversation.

Breeze Marketplace and Breeze Studio create an integrated AI ecosystem in which agents and assistants can be discovered, customized, and deployed. This single platform allows your AI tools to access all your unified CRM data, delivering consistent, intelligent automation across every team and workflow.

Breeze Assistant and Custom Assistants align with the unified promise by tapping into a customer's entire business ecosystem, including not only CRM data but also connected apps, documents, and conversation history. This allows the AI to provide intelligent support that understands your complete, unified data and business processes from within the platform you already use.

Data Agent automates research by analyzing and unifying fragmented data from your CRM, calls, emails, documents, and the web. It works across your entire customer base and delivers precise, custom insights directly within HubSpot's unified platform, such as the Smart CRM and workflows.

By integrating these powerful AI capabilities directly with its unified platform, HubSpot ensures that the AI is not a siloed feature but a force that enhances the value of your existing data and processes, turning every interaction into a growth opportunity.

Out with the Funnel, In with the Loop: Your Guide to HubSpot’s New AI Marketing Playbook

The funnel is fading fast.

The funnel is fading fast.

AI is transforming how people discover, evaluate, and buy, and the linear model marketers have relied on for two decades simply can’t keep up. Today’s buyers are informed long before they land on your site, conversions are happening further along in the journey, and attention is fragmented across AI-driven search, influencer recommendations, and community conversations.

At INBOUND 2025, HubSpot unveiled a new playbook designed for this moment: Loop Marketing. Unlike the rigid funnel, the loop is dynamic, powered by humans and AI, and infinitely adaptable. It’s not just a framework—it’s a way of working that helps businesses grow smarter, faster, and more authentically.

Here’s how you can put it into action with HubSpot’s newest tools.

Why the Funnel Is Breaking

Three forces are disrupting the way marketing has worked for decades:

AI eats the top of the funnel. Nearly 60 percent of Google searches end without a click, thanks to AI overviews and large language models (LLMs) summarizing answers before a user ever visits your site.

Intent is skyrocketing. The smaller share of buyers who do land on your pages arrive highly qualified—4.4 times more likely to convert than traditional traffic.

Authenticity beats volume. Content saturation has leveled the playing field. “Taste”—your unique voice, perspective, and brand story—is now the true differentiator.

The playbook marketers have leaned on for years—heavy top-of-funnel content, rinse-and-repeat campaigns, and static nurture paths—is no longer enough.

That’s where Loop Marketing comes in.

Meet Loop Marketing

Loop Marketing is built for the AI era. Instead of guiding buyers down a predictable path, it empowers marketers to express, tailor, amplify, and evolve continuously, learning faster and connecting deeper at every stage.

The magic happens in the partnership. Humans bring creativity, taste, and authenticity; AI brings speed, scale, and optimization. Together, they fuel a loop that compounds growth over time.

Let’s break down the four stages of the loop and the HubSpot tools that make each one real.

1. Express: Define and Share Your Unique Brand Story

Every loop starts with you. Before AI can be powerful, it needs to be fed your distinct perspective, voice, and understanding of your customer.

Tactics with HubSpot’s new tools:

Audience Insights with Breeze Assistant (Free): Summarize your best-fit customers directly from CRM data, including their goals, pain points, and deal history.

Brand Identity (All Hubs, Professional+): Upload your style guide—tone, voice, and values—so every AI-assisted asset reflects your brand.

Marketing Studio (Marketing Hub Professional+): Turn that foundation into campaign strategies and multi-channel content in minutes.

Why it matters: When you define your taste first, AI stops being a content factory and becomes a growth engine.

2. Tailor: Make Every Interaction Feel Personal

Buyers don’t just want personalization—they expect relevance that feels human. Loop Marketing uses AI to transform generic outreach into one-to-one moments that show your brand truly understands its audience.

Tactics with HubSpot’s new tools:

AI-Powered Contact Enrichment and Data Agent (Starter+, Credits): Fill gaps in CRM records with real-time intent signals, firmographics, and job changes.

AI Segmentation (Marketing Hub Professional+): Build audiences based on intent signals such as pricing page visits or email replies.

Personalization Agent (Professional+): Dynamically adapt landing pages and CTAs for different audience segments.

AI Dynamic Email Personalization (Enterprise): Generate individualized emails at scale, powered by CRM data.

Pro tip: Always layer human review on top. AI can scale personalization, but only you can make sure it feels genuine.

3. Amplify: Show Up Where Buyers Already Are

Your prospects aren’t following your funnel anymore—they’re following their feeds, communities, and trusted voices. The amplify stage helps you diversify distribution and build credibility where it matters.

Tactics with HubSpot’s new tools:

AEO Grader (Free) and AEO Strategy Tool (Content Hub Professional+): Optimize your content to surface in AI-generated answers.

Customer Agent (Professional+, Credits): Place conversational AI bots on high-intent pages (e.g., pricing) to answer questions instantly.

Creator Partnerships: Use HubSpot’s connectors for ChatGPT or Claude to identify potential influencers or industry collaborators.

Video Clip Search Agent and Clip Editor (Content Hub Professional+): Turn long-form video into trending, short-form clips for social feeds.

AI-Powered Ad Builder and Google PMax Integration (Professional+): Generate and launch AI-driven campaigns across channels with precision targeting.

Why it matters: Amplification isn’t about being everywhere—it’s about being in the right places with the right people at the right time.

4. Evolve: Optimize in Real Time

Gone are the days of waiting months to know if a campaign worked. With Loop Marketing, learning and optimization happen continuously.

Tactics with HubSpot’s new tools:

Email Engagement Optimization (Enterprise): Predict which contacts will engage before you hit send.

Smart Digest (Professional+): Get AI-powered trend reports delivered to you as campaigns run.

Pathfinder (Enterprise): Analyze customer journey paths to uncover friction points and conversion drivers.

Breeze Assistant (Free). Post-campaign, get recommendations on what to refine in your next loop.

Why it matters: Every cycle of the loop makes you sharper. Faster feedback leads to faster pivots, which allows for a stronger competitive edge.

Measuring Success in the Loop

Each stage of Loop Marketing comes with clear metrics:

Express → Efficiency: Time and cost to create content

Tailor → Engagement: Click-through rates across channels

Amplify → Conversion: Channel conversion rates, AI visibility, and share of voice

Evolve → Velocity: Number of qualified leads and experiments per month

The result? A marketing system that makes every loop smarter, stronger, and more aligned with your buyers.

The Future Is Loop Marketing

Just as inbound marketing transformed an internet-driven world, Loop Marketing is designed for the AI era. It’s not about throwing out strategy—it’s about making strategy more agile, more human, and more scalable through AI partnership.

The funnel had a great run, but today’s buyers aren’t moving in straight lines. They’re circling, looping, learning, and expecting you to keep up. With HubSpot’s Loop Marketing playbook and its newest suite of AI-powered tools, you can.

At SmartBug, we believe this moment is less about adapting and more about leading. The marketers who embrace the loop today will be the ones setting the pace tomorrow.

Ready to make the loop your growth engine? Let’s put it in motion.

HubSpot’s Fall 2025 Spotlight delivered a clear message: the future is unified. Every announcement centered on unifying data, systems, and teams to accelerate growth with AI-powered insights. From new Breeze AI capabilities to the evolution of the Data Hub, Smart CRM, and a refreshed brand identity, HubSpot is positioning itself as the platform where everything comes together.

Here’s a breakdown of the biggest updates.

Theme of the Season: Unified

The core of the Spotlight is unified—the promise of bringing together not only teams, but also data. HubSpot is making the case that it’s the only platform that can unify all your customer information and activate it with AI-driven insights.

The result? Your teams can “know everything and do anything.” This vision sets the tone for every product update.

Breeze Customer Agent: AI Concierge for Every Interaction

Breeze Customer Agent is evolving into a powerful 24/7 AI concierge.

Today: It already manages text-based conversations across chat, email, WhatsApp, and Facebook, with simple handoffs to human agents.

Post-INBOUND: It goes further with real-time lead qualification, voice conversation handling, personalized replies using HubSpot records, and a built-in testing and coaching experience to improve performance.

Key Updates

Support for multiple agents in one portal

New integrations with calling channels

Enhanced human handoff experience

CRM-level access for data updates

Visitor authentication, new customization options, and lead generation built directly into the flow

This evolution transforms Breeze Customer Agent from a reactive chatbot into a proactive growth driver.

Breeze Assistant and Custom Assistants

The former Breeze Copilot is now Breeze Assistant, with a major leap forward in capability.

Today: It offers basic, desktop-only AI help with limited access to HubSpot data.

At INBOUND: It becomes a ChatGPT-like AI with memory, multi-app connections (e.g., Google Workspace, Microsoft 365, Slack), advanced business analysis, and the ability to create custom assistants tailored to specific needs.

Breeze Studio

To support this, HubSpot introduced Breeze Studio, in which teams can manage and customize both Agents and Assistants. They can:

Define how assistants respond in conversations

Control how agents operate autonomously

Build custom assistants from scratch

Breeze Marketplace

Customers can access HubSpot-built agents (e.g., Closing Agent, Customer Health Agent, Blog Research Agent, RFP Agent) or build their own.

Breeze Credits Updates

Breeze Copilot → Breeze Assistant rebrand

Features grouped under Breeze Intelligence (e.g., Data Enrichment, Buyer Intent, Form Shortening)

Data Enrichment now included with Core Seats (no credit consumption, except for Smart Properties)

Data Hub: Unifying Data for Growth

HubSpot’s Data Hub is the natural evolution of Operations Hub, rebuilt for accessibility and the AI era.

What’s New

Approachable design, with no technical expertise needed

Datasets activated across the entire platform, not just reports

Access to external sources across your tech stack

AI-powered tools to keep data clean and enhance insights

Data Studio

Spreadsheet-like interface for non-technical users

AI-assisted dataset building

Ability to instantly activate insights across segmentation, reporting, and automation

Data Quality Command Center

Automatic cleanup for duplicates and outdated data

Proactive monitoring to flag issues early

AI enrichment to fill gaps and complete profiles

Pricing & Packaging

Professional ($720 per month) and Enterprise ($2,000 per month) tiers

Both include 3,000 HubSpot credits per month for data sync and enrichment

Credits are priced at $10 per 1,000 when additional capacity is needed

Smart CRM: From Flexible Views to Self-Generating Data

HubSpot is pushing Smart CRM further into an AI-first future.

Flexible CRM Views (Free+)

Moves beyond static tables to charts, boards, and timelines

Self-Generating CRM Data

Learns automatically from HubSpot’s dataset, Smart Properties, and conversations

Eliminates manual data entry and keeps records up to date in real time

New object type to manage projects directly in HubSpot

Data integrates across records, segmentation, automation, and reporting

Standalone Smart CRM

For the first time, businesses can buy Core Seats with Smart CRM without a Hub.

Professional: Robust profile, team, and tech stack features

Enterprise: Adds custom objects, datasets, advanced permissions, and expanded limits

HubSpot continues its investment in AI-powered marketing.

Segments

“Lists” are being rebranded as Segments

Unified hub for building precise groups with AI-driven recommendations

Activate insights directly into CTAs, web pages, and personalized content

This closes the gap between selling and collecting revenue.

Loop Marketing and HubSpot’s Brand Refresh

HubSpot is not just refreshing products—it’s refreshing its identity.

Loop Marketing Playbook

Traditional inbound playbooks are “played out.” HubSpot is unveiling Loop Marketing, a new approach built on four continuous stages:

Express

Tailor

Amplify

Evolve

This model reflects a dynamic, always-on approach to customer engagement.

A Modernized Brand Identity

At INBOUND, HubSpot will officially launch its new brand identity designed to:

Modernize

Elevate

Unify the HubSpot experience

What’s Changing

A refreshed look and feel

New color palette (beyond HubSpot Orange to include Teal, Cream, and extended tones)

Stronger resonance with upmarket buyers

More global, elevated positioning

HubSpot’s message is clear: The brand itself is evolving in lockstep with its technology.

Final Thoughts

The theme says it all: unified.

HubSpot’s Fall 2025 Spotlight unified more than data—it unified vision and execution. With Breeze AI enhancements, the launch of Data Hub, a smarter CRM, and a modernized brand identity, HubSpot is signaling that it’s ready to lead businesses into the next era of AI-driven growth.

With the introduction of AI-enabled search engine results, many marketers today are wondering: Does good ol’ search engine optimization (SEO) even matter anymore?

The short answer is yes, but the rules have changed. Optimizing your content for search engines is still incredibly important. But the reality is that many legacy SEO tactics are no longer effective—and could even be hurting your brand’s visibility.

In a recent episode of SmartBug on Tap, host Tonia Speir and SEO expert Marie Boni explore the shift from traditional SEO to answer engine optimization (AEO), driven by AI-powered search experiences such as Google’s AI overviews and ChatGPT. The following blog post will provide additional insights regarding AEO and elaborate on some of the key points from the webcast.

The Rise of AI-Driven Search and Answer Engine Optimization (AEO)

In the beginning (a.k.a. the 1990s), marketers had search engine optimization—a practice that fueled their efforts to boost brand visibility online. For more than 20 years, businesses have been seeking innovative ways to fine-tune their SEO tactics based on evolving best practices. And just as we thought we got a handle on what makes for “good” SEO, the wave of AI washed all those assumptions away.

AI tools like Google’s Search Generative Experience (SGE), Bing Copilot, and ChatGPT are changing the way people find information. We have entered the world of AEO—sometimes referred to as generative engine optimization (GEO) or generative search optimization (GSO)—which defines modern brands’ efforts to optimize content for AI crawlers that generate summaries or comprehensive answers to common search queries.

Previously, users scrolled through traditional search engine results pages (SERPs) to browse information that addressed their inquiry. But now, search engines like Google have enabled AI-assisted search— a tool that browses SERPs automatically and instantly generates an all-encompassing result based on the most relevant pages.

This is the shift we’re referring to when we say “AI broke the SERP.” Not long ago, brands prioritized being the first result listed in a SERP. Then, Google Search Ads changed the game with paid results. And now, the meaning of “high-ranking” in search results has shifted once again, this time due to AI. As a result, optimizing your content is no longer about simply addressing your audience’s needs—you need to solve users’ problems, and do it better than anyone else.

This is precisely why a strong organic content strategy is more important now than ever. Your content doesn’t just need to look good to crawlers; it needs to be good from the perspective of a large language model (LLM)—original, relevant, and high quality. Here’s Marie’s take:

“Nowadays, with the large language models, if you don't have a good brand authority, if you don't have a good reputation over the web, it's going to be more difficult to appear in buyers' eyes […] Authority matters way more than ever with LLMs. The stronger your domain level authority is, the more likely your content is to surface. [That] was already the case […] but even more now.”

6 Mistaken SEO Tactics That Are Hurting Your Brand

Needless to say, generative AI (GenAI) search tools have redefined content optimization, and what used to give brands authority may no longer be a viable strategy. Consider the following examples:

1. Keyword Stuffing and Over-Optimization

AI tends to overlook over-optimized content in favor of semantically rich, natural language. Over-optimization used to be a viable method for ranking high in SERPs, but now it signals low quality to both search engines and AI tools. The content itself—what it’s actually saying, not simply what it’s talking about—is what matters most to today’s search engines, and conventional keyword stuffing isn’t likely to get you very far with AI.

2. Content Created for Bots, Not Buyers

AI surfaces content that directly satisfies intent, which means content heavy with keywords but low on value won’t make it into AI-generated answers. In the episode, Marie reminds viewers about prioritizing quality over quantity. She brings up that large enterprises often overlook this, instead opting to pump out content for the sake of volume:

“It’s true that some SMBs (small-to-medium businesses) can outperform enterprises because they've been intentional with their SEO and content strategy. I think the reason why enterprises are not immune and can struggle is actually because […] they invest a lot in content [for] their content strategy, which is a really good thing, but they don't align it with the user's needs. [Then] it becomes writing at scale, writing all the time, a lot of content, but it's not relevant. And that's a big issue for either SEO or AEO […] When you're producing at volume, you have better chances of producing low-quality content. And that does not align with [the best] practices of today.”

3. Over-Reliance on Backlinks Alone

Don’t get us wrong, backlinks still matter, but brand authority is now much more multifaceted. AI search models factor in additional elements such as citations, brand mentions, and reputation across channels. Content that’s endorsed by numerous backlinks but lacks other optimization efforts is no longer sufficient.

4. Ignoring Semantic Clarity and Topic Coverage

Again, AI favors content that demonstrates a deep, clear understanding of topics. As Marie notes, “LLMs generate synthetic queries in order to understand what the user is saying,” which means your content must leverage precise vocabulary, rich semantic fields, and clear, hierarchical structure to rank. To achieve content that’s more forthright and less redundant, she recommends using short, impactful paragraphs that get straight to the point.

5. Corporate Jargon That Obscures Meaning

Similarly, LLMs have a preference for clear, conversational language that aligns with how real users ask questions. Using too much industry speak can lead to incomplete or incorrect summaries. Clarity, as we discussed, is your friend when it comes to AEO. Within your content, be sure to define terminology, elaborate in plain language, and keep the jargon to a minimum.

In the episode, host Tonia Speir explains that this challenge is two-fold:

“For one, you still have to optimize for those big jargony corporate words that are industry specific, but at the same time, also write your content in a way that answers the question at the level the customer's asking.”

6. Failing to Optimize or Update Older Content

Historical optimization remains critical, but freshness is now a key factor in AI search visibility. Brands can’t expect to rank or appear in AI search summaries by continuously pumping out new content pieces. And fresh content doesn't necessarily mean brand new content—businesses should actively update old content to revitalize its value. Part of the beauty of digital content is that it can be changed to reflect more current or relevant information, so brands need to take advantage of this capability.

Why Good SEO Still Matters—Now More Than Ever

AEO isn’t replacing SEO, but it is undoubtedly transforming the way search engines rank, authorize, and qualify online content. AI-enabled search has rewritten the rules of SEO, relentlessly redefining the concept of optimization as these tools continue to evolve. In other words, AI is exposing weak SEO, not killing strong SEO, which means brands with well-structured, user-centric content are already ahead of the curve.

At the end of the episode, Marie mentions that, despite the rapid evolution of AI tools, the human ability to recognize and create high-quality, innovative content shouldn’t be overlooked. Trust your expertise, she implores, and be intentional in your use of these tools. In the end, you’re still writing for human brains, just in a way that appeases the latest search LLMs—that is the challenge (and opportunity) behind AEO.

If you want to dive deeper into AEO and create more marketing impact, reach out to the team at SmartBug for help maximizing your digital content strategy.
