Hello everyone!

We have some good news for Korean speaking TeamLab users. The other day Korean enriched the list of languages you can switch your portal to!

It became possible thanks to the BNS company (that means Brand New Style). The company staff did their best to deliver the Korean translation as soon as possible and now every TeamLab user can enjoy his portal in this beautiful language.

Tips on how to change the portal language to Korean

To switch your portal to Korean within your account only (the language will be changed for you only), please proceed through these steps:
1. Open your profile page clicking your name in the right upper corner and selecting the 'Profile' option.
2. Open the 'Language' dropdown list and choose the Korean (Korea) option.

To change the language for all the portal members, you need to have full access administrator privileges. For this purpose, please follow the steps below:
1. Click the icon in the right upper corner to access the portal settings.
2. In the 'Language and Time Zone Settings' section, open the 'Language' dropdown list and choose the Korean (Korea) option.
3. Press the 'Save' button.

If you need your portal in a certain language and would also like to contribute to translation, please read this guide on how to become a TeamLab translator or write to us at documentation@teamlab.com.

That’s all!

Spring never comes alone and this time we’ve prepared major enhancements for your cloud office. For starters – improved time and payment tracking, guest users as a main course and other pretty little cookies for dessert.

Hungry for the details? Here they are:

1. Working with clients and freelancers becomes easier.

From now on there is a payment status for each record in the Time Tracking section:

·        Not chargeable – for the hours which will not be paid;

·        Not billed – for the time period which is not paid yet;

· Billed – for the hours that have been paid already.

The payment status can be changed only by administrators or project managers.

Get a better view of the new feature from our video guide.

2. Invite your clients to TeamLab Office! Guests status is officially released.

You can add guest users to your project and enable them to view and comment tasks, discussions and download documents. Your portal guests will not be allowed to create tasks and files, view CRM and People modules.

Guest users are invited for free, so the price is still based on the number of “active users”. See the detailed post about TeamLab Guest status here.

3. What else is there in 7.4?

You will be able to set starting time for each task and use it in search and filter.

Users’ birthdays tracking. Make sure you don’t forget to congratulate your teammate!

New video-guides shown right in your portals.

And after telling all this we’re looking forward to your feedback! Feel free to share your thoughts in the comments and don’t hesitate to join us on Facebook – this is where the news comes first.

The topic of today’s post will be interesting for the majority of you judging by the amount of votes the idea of adding external users, i.e. guests, got – they are over 300! This great suggestion was implemented in TeamLab Office 7.4. Reading this post you will learn who the guests may be, what rights they have at your portal, how you can add and manage them, how much each guest will cost you, etc. So let’s start.

Who are they, these guests? Probably some of your clients would like to know about every slight change in their order fulfillment, or you have freelancers who work for your organization and need to access the project they are working at, or you often need to discuss shipping terms with your subcontractors… The solution is easy – you can invite your clients, freelancers, subcontractors as guests to your portal. It won’t cost you a penny! Just add so many guests as you need and don’t care about the costs! The guests won’t be taken into consideration while calculating the number of portal users.

How to add guests to the portal? To add a guest to your portal, just follow the steps below:
1. Open the ‘People’ module selecting it from the list in the left upper corner.
2. Click the ‘Create New’ button and select the ‘Guest’ option.
3. The ‘Create New Guest’ form will open where you need to fill in some fields. The following three of them are obligatory:

First Name – enter the guest’s first name

Last Name – enter the guest’s last name

Email – enter the email address where the invitation letter will be sent to

The next fields can be left unfilled if you don’t have this information at your disposal. It can be provided by the guest himself/herself later. So the fields are:

Group – click the ‘Add Group’ link, then the ‘Select’ link to open the list of available groups and choose one or several of them.

If you'd like to create a new group,
1. click the 'Create New' button in the 'People' module and select the 'Group' option
2. enter the title of the new group and select its head in the list if needed
3. click the 'Save' button

You can create different groups for your clients, freelancers that work for your organization, subcontractors, etc. or a single group for all guests.

If you decided to create a group while entering a new guest's details, please bear in mind that after you save the group, all the entered data will disappear. That's why it's recommended that you complete the guest's form first and then create a new group and add the guest to the group.

To add a guest to the created group, find him/her in the list, click the icon and select the 'Edit' option. On the guest's profile page click the 'Add Group' link and select the needed group from the list. As simple as that!

Title – enter the guest’s position or role in your organization

Sex – select between male and female

Registration Date – the current date is selected by default, but you can select another one in the calendar that appears after you click within this field

Date of Birth – enter the guest’s date of birth manually using the keyboard or select it in the calendar that appears after you click within this field

Location – enter the guest’s location

Comments – here you can leave a comment

Contact Information – click the ‘Add new contact’ link, select the contact data type clicking the default ‘Email’ value and enter the data into the field. In the same way you can add further contact details

Social Profiles – click the ‘Add new social profile’ link, select the social network clicking the default ‘Facebook’ option and enter the guest’s account name into the field

4. Click the ‘Save’ button.

After that the added person will receive an email with the link that he/she should follow to assign a password and join the portal. Then the guest gets the ‘G’ symbol at his/her avatar photo.

You can also save your time and add guests all at once. To do that,

1. Open the ‘People’ module.
2. Click the button in the left upper corner and select the ‘Import Accounts’ option.
3. Select the source you want to import guests from – Google, Yahoo, Windows Live, From File.
4. Mark the people you want to add to the portal.
5. Check the ‘Add users as guests’ box.
6. Click the ‘Add Selected’ button.

Note: you can also add users as guests while importing data from Basecamp within the 'Projects' module or inviting them via invitation link. For further information on adding guests please refer to this user guide.

What access rights do the guests have? By default all guests get access to the ‘Documents’, ‘Projects’ and ‘Community’ modules as well as to the ‘Calendar’, ‘Chat’ and ‘Feed’ tools. They have the following rights within these modules:

Note:
1. The guests don't have access to the 'CRM' and 'People' modules as well as the 'Payments' page.
2. In the 'Feed' tool and while using search, the guests can view only results they have access to.

Note: you can't give administrator rights to a guest.

If you need to restrict the guests’ access to a certain module,

1. Switch to the portal settings selecting the ‘Settings’ option from the list in the left upper corner.
2. Open the ‘Access Rights’ section clicking this option on the left-side panel.
3. Scroll down the page till the needed module.
4. Find the ‘Access to module is given to’ caption and check the ‘Users from list’ option. If this option is already checked, just proceed to the next step.
5. Click the ‘Add User’ link to restrict a certain guest’s rights or the ‘Add Group’ to restrict rights of a certain group of guests.
6. Select all the users or groups of users with the exception of the guest or group of guests whose rights you want to restrict.

After that the guests or groups of guests you didn’t include into the list won’t be able to access a certain module at all.

If the added guest has not enough access rights, you can change his/her type from guest to user. To do that,

1. Find the needed guest in the list within the ‘People’ module.
2. Check the box next to him/her.
3. Click the ‘Change Type’ button above the list and select the ‘User’ type.

Note: you can also change the portal member's type on his/her profile page.

After this procedure a guest will become a common portal user. It’s only possible if the number of users allowed by your pricing plan isn’t exceeded.

As a famous song goes “money is the anthem of success” and that can hardly be argued, especially since we’re at a business solution blog. But let’s leave aside profits, interest rates and pricing lists at least for a while and have a look at the world around us. Not everyone’s success is centered around profit-making.

For some people it’s a successful day, if they’ve managed to live through it without too much pain or hunger, for others if they’ve raised enough funds for their scientific research or new creative project. For us in TeamLab it’ll be a real success if we can help those doctors, volunteers, teachers, creative enthusiasts and many other teams that contribute in making this world a less painful and much better place. To make our moderate contribution, we’ve launched a free program for nonprofit organizations and invite you for participation.

What you should do to participate

Place TeamLab Office banner to your website main page and complete the form at our special page. Your request will be considered within three working days and the decision will be made in accordance with the Terms on TeamLab Office SaaS Version Provision for Nonprofit Organizations. The most important thing is that your website content should confirm that the organization is founded and maintained only for nonprofit activities.

Any limitations for a free nonprofit account?

The nonprofit plan doesn’t have any functionality or user number restrictions with the available storage space upto 1Gb.

Tell the world about you

Apart from benefitting from collaboration in TeamLab Office, we also offer you to share your nonprofit organization/project story for publishing here in our blog as this is only the first post in our nonprofit series.

For your stories suggestions as well as any doubts, consultations or questions feel free to use comments to this post or send messages to non-profit@teamlab.com

Dear users!

We are very excited to announce that the Hybrid Version of TeamLab Office is finally out!

After a warm welcome of TeamLab 7.0 in December of 2012 we received a lot of requests for more flexible terms of platform deployment, so the appearance of another solution was merely a matter of time. Today we are ready to spring a surprise for the needy coming up with something more technologically advanced than a regular server solution.

The Hybrid Cloud solution has its name for a reason. Basically, it embodies the advantages of private and public clouds. The data that needs to be secure (Projects, CRM, Document, Community) is stored in your private cloud. Additional services like Online Office Apps and email notifications are provided from a public cloud, allowing us to take care of their maintenance and constantly update them.

Choosing Hybrid Cloud deployment you are entering the stage of a cutting-edge technology that gives you the following advantages:

Independence from vendor minimizes technical failure risks and guarantees data security;

Opportunity to choose a close server for data storage makes workflow as dynamic as it can possibly be;

For private Teamlab Office deployment you are able to choose between two options:

Virtual machine with the pre-configured TeamLab Office within Amazon Elastic Compute Cloud (EC2)

Windows servers with Hyper-V support.

Of course, you must be curious about the prices. The good news is that they are almost absolutely identical to the SaaS-version. This holds true for subscription differentiation based on the amount of portal users and availability of the trial period.

See the deployment details for TeamLab Hybrid Cloud solution here and please, feel free to share your thoughts in comments, we are looking forward to hearing from you!

We continue to follow our pursuit to enable overall project and team collaboration, and so beginning with version 7.0 simultaneous editing has been also added to TeamLab Office Apps!

How it can speed up your work

The benefits of collaborative file processing in the cloud are evident:

time saving for business and decision making processes across teams of any sizes;

no more need in endless correspondence with bulky attachments;

an opportunity for distributed teams to discuss and process a document from any part of the world

What options exactly it provides

simultaneous multi-user access to the edited document;

visual indication of passages that are being edited by other users;

synchronization of changes with one button click;

chat to share ideas concerning particular document parts;

comments containing the description of a task or problem that should be solved

In other words you can now work with one text document at the same time with your colleagues without any difficulty or fear of collision due to the technology chosen. The paragraph, that you’re editing, is locked from other teammates and it’s clearly indicated who is editing what at a certain moment. The real-time collaboration is reinforced by the embedded chat and commenting option.

Not only TeamLab Office registered members will be able to benefit from collaborative editing. It means you can attract colleagues outside the corporate portal by submitting a link and granting access permissions.

At the moment collaborative editing is available for text files, but in the next releases you’ll be able to benefit from it also in spreadsheets.

It has been a week since we came back from TechCrunch Moscow and it would be unfair to be silent about the results.
Well, today we’ve got 3 great pieces of news and a couple of photos)

First things first.

Teamlab 7.0 is officially out! From now your team is working in a brand new Teamlab Office.

It was released on the 9th of December, the first day of TechCrunch Moscow. We are very thankful for your patience, understanding and support, as the release took quite much time and effort. However, it’s here, completely renovated and refreshed – hope you’ve already checked out the new website. We’ve tried our best to make it modern and stylish.

Second and the most exiting.

We are leaving CHEAP ACCOUNTS for small teams and startups. This decision is based on the feedback that we got after announcing pricing plans here. We realize that some teams can not afford paying for software monthly, however they also need an effective collaborative platform. We understand the demand and in our turn want to show some support and foster their growth.
Thus accounts for 1-5 members cost $50 per year.

For more details about the pricing, please go to our pricing page

The last but not the least.

As promised, we’re happy to share the results of TechCrunch Moscow 2012, which took place at the beginning of December. There were 46 startups and we are proud to say we were among those 6 which passed to the second round. Though we didn’t win the game, we got a huge portion of positive emotions, useful experience and which is more important – were able to announce the new version release to a wider audience!

Have you already checked the spreadsheets and presentations editors?
We bet, you’ll like them!

As usual, we are willing to hear from you, so don’t hesitate to share your thoughts in comments and have a good day!

Let’s face it, most of our announcements are made online, depriving us of an opportunity to communicate with our users face to face. The last TeamLab public appearance dates back to the beginning of this spring, when we participated in CeBIT – an international IT event held in Hannover. We had a great time getting acquainted with TeamLab users and discussing the prospect of our service.

Nine month later we witnessed the reboot of TeamLab, tested the beta-version of TeamLab 7.0, struggled through trials and tribulations, but eventually managed to come up with a product that is truly helpful, user-friendly and technologically advanced. We can not thank you enough for your huge contribution in terms of ideas generated, bugs found and support given. Together we made a difference and we think this is something to be proud of not only inside our close-knit community of TeamLab users, but in front a much bigger audience.

As you may have already guessed, TeamLab is going to participate in another world-class technology event, namely TechCrunch Moscow 2012. The event is going to feature some of the world’s leading technology entrepreneurs, so we couldn’t miss out on it. So in case you are looking forward to meeting TeamLab representatives, you know where to find us

One last (but probably the most important) detail for today. Taking part in TechCrunch Moscow 2012 requires demonstration of the product. Guess what we are going to present? Yeah, right! The stable version of TeamLab 7.0!

So keep your fingers crossed and wish us good luck!

The Startup Alley starts on Decebmer 9th
