Enterprise Output Management (EOM) - What Does It All Mean?

Enterprise Output Management, or EOM, is one of those ‘work phrases’ we tend to use on a daily basis.

Do you use a lot of jargon in your line of work? Does this situation sound familiar: “The other day I was trying to explain to someone what I do, but I had to keep stopping to explain the terms and acronyms. By the time I explained what I did, it was about as clear as mud.”

Yes, we have all been there, especially in an industry that is high-tech or has a lot of complex moving parts. The industry-speak or jargon that we use is a double-edged sword, especially in today’s connected and collaborative working environments. The result is that there are people tasked with figuring out challenges in business environments such as workflow management, operations management, customer satisfaction and cost reduction that may not have the background or expertise in the solutions they are looking for. What do you do? Google it perhaps? Maybe… but you really need a better explanation than those that are available on Wikipedia.

In the case of Crawford Technologies, we have been working in what many call the Enterprise Output Management (EOM) industry since 1995. In the early years of the company we sold print-stream transforms; the ability to convert documents from one print file format to another. This was our main offering and was sold in business-to-business (B2B) environments and through partnership agreements. The main person we seek to help in the document handling process is the person in charge of transaction document output or an output manager; most of the time referred to by job title as an Operations Manager.

Moving back to the data at hand; these disparate print file types were created among the evolution of digital printing that started with digital printer hardware like the IBM 3800 in the late ‘70s. The print languages that were relevant both then and now include AFP, PostScript, PCL, Xerox Metacode, Line Data and PDF. Many of you may know a few of those, especially PDF.

AFP or Advance Function Presentation (originally developed by IBM and now open source) is one of the most common forms of transactional print data running through high-speed digital print engines—those printers that print several hundred feet a minute and take information from a computer; not via plates or the traditional offset print process.

See, we have already started to use that industry jargon. Basically, what you need to know is that these different files types (AFP, PS, PCL, Metacode and PDF) and the process of moving them and their information from a system of record (a banking system, insurance system etc.) to the end-customer is consider a print operation workflow. The information that is being moved from these systems to a printer and then through mailing operations for transportation and delivery to the end-customer consists of credit card bills, account summaries, insurance documentation, investment prospectus, healthcare documents—anything that has to be sent by the provider, generally on a regular cycle, to hundreds of thousands of recipients. You can see the need for an output manager and automation tools to make the process more efficient.

This entire process of creating electronic document output, moving them to a print operation for print production, preparation for mailing and then out to the mailing distribution and delivery channel is considered Enterprise Output Management or EOM. At least, it is in the print industry. We think it is a great way to explain what we do. The level of the volume and business, or the ‘Enterprise’, and the process of creating output and managing it through to delivery start to make sense with the acronym EOM.

So that is what is meant by EOM, but what do we mean by transactional documents? Stay tuned for our next blog in the series, ‘The Transaction Document: What is it and why is it important?’

The Problem with Bills in Our Email

How many of you have been asked to sign up for paperless delivery of your bills and statements? Maybe it is your credit card or your TV/cable bill. One thing is for sure, most of the people at Crawford Technologies, whether they are at Headquarters in Canada or our offices in the USA and Europe, have run into this situation in one way or another.

As part of the print and mail industry and as experts in the digital document management and delivery field, our company has seen it all when it comes to the challenges of delivering printed or electronic transactional documents. However, most of the time we are dealing with the challenges as seen from the perspective of the provider and how to make sure the end-customer, who receives documents in various print and electronic forms, is satisfied. As you look at the landscape of how bills and statements are delivered, email is a popular notification tool. The problem is that it is quickly becoming unmanageable.

How many emails do you get a day and in how many different email inboxes? Asking around the office, many of us have work and personal email addresses. There is also normally a policy in most workplaces not to mix personal emails and business. You may have every e-delivery notification of the bills you have to pay sent to your personal email address. What’s more, your personal email might not be as protected from junk mail as your corporate email and the advent of things like Groupon, Living Social, JetSetter and others mean that your personal inbox might be filling up with all sorts of email notifications—some important and some not so much.

The problem starts to mount when you can’t easily tell if you have bills due. Some have a strategy of going to “auto-pay” so that they never miss a bill, but this doesn’t answer the requirement to keep your bills and statements for tax or accounting purposes. The end result is many emails, many different logins for each site and what effectively is a records management problem. All of this is driven by a cultural shift to move our traditional paper statements to paperless and e-delivery in order to reduce our carbon footprint.

There is an answer to all of this email clutter and record keeping; it is a solution that is starting to gain momentum and being talked about by providers. This solution is Digital Mailbox Services and it is being offered in the USA by several different providers including doxo, Manilla, Zumbox and soon-to-be Volly. In Europe, many of the Post Offices have been providing Digital Mailbox Services for their customers since the turn of the millennium. The idea is simple; create an online presence of your mailbox that is secure and has storage for easy and accessible management of your critical mail.

The challenge: a shift in thinking both at the billing provider level and at the consumer level to create critical mass and an advantageous environment to adopt the Digital Mailbox Services offering. How much easier would it be for you if you could manage all your electronically delivered mail, especially bills and statements, from one central mailbox with storage to keep track of it all for the foreseeable future?

Leave us a comment and tell us how this would or wouldn’t change your daily life.

IBM, Healthcare and the IBM OnDemand Conference

The IBM Information OnDemand Conference took place a few weeks back in October. At the show there was a lot to see and learn about from IBM and their Business Partners. For Crawford Technologies this was our first year exhibiting alongside the recently acquired ASE Technologies, now the ASE division of Crawford Technologies. And the experience was not only enlightening, but definitely a venue we look forward to returning to next year.

This year one of the topics that gained a lot of attention was Healthcare. In fact, Gary MacFadden reported on Wikibon that this was a “major theme” along with the “Big Data” message at IOD this year. As MacFadden writes in his article, the Big Data in healthcare is both a challenge and an opportunity. As part of both sides of the equation the healthcare industry has to not only consider the move to Big Data, but also the innovations being offered, the importance of the data, getting analytics-ready, the current and pending regulatory statutes and how patient, providers and payer views get integrated together.

Be sure to read Healthcare a Major Theme as IBM Delivers Big Data Message at IOD 2012. The insight from MacFadden and the changes and opportunities on the horizon are sure to give you and your healthcare business some things to think about.

Document Strategy Forum Cancelled; Crawford Technologies Offers New ADF White Paper That Would Have Been Launched at the Show

When we posted our blog last Friday the word was that Document Strategy Forum 2012 in Old Greenwich, CT, was still moving ahead as planned. Early Saturday we learned that Hurricane Sandy was being (and continues to be) relentless. As various States declared a State of Emergency, Document Strategy Forum was left no choice but to cancel the conference and exhibition.

For many the cancellation was sad news...

This was going to be the first year the Document Strategy Forum had moved out of Chicago and setup in a new venue. Along with the spirit of change there were many exhibitors, including Crawford Technologies, that were returning to the conference and exhibition floor with the hope of meeting new people and sharing our expertise in the print and mail industries.

As we continue to think about those that are in the path of Hurricane Sandy, we also took a look at our plans to launch new thought leadership in the area of Automated Document Factory (ADF) solutions for the conference and exhibition. The new white paper, The Manager’s Guide to ADF to ADF Systems in the Multi-channel Era, launch today to the press and media, but was also supposed to be announced during our Vendor Showcase at Document Strategy Forum. As they say, “When it rains it pours.” However, they also say, “Every cloud has a silver lining.” In that spirit we wanted to make sure we could share this information with everyone who planned on being in Old Greenwich with us this week at Document Strategy Forum.

So as you are sorting out the changes in your schedule from the conference cancelation, Crawford Technologies invites you to read our new white paper by visiting: www.crawfordtech.com/ADFwhitepaper. This guide to ADF systems in the multi-channel era is sure to provide you some valuable educational information and a new perspective on ADF systems.

For those in the path of Sandy, all of us here at Crawford Technologies wish you and your families the best and hope you stay safe.

On the Road to Document Strategy Forum 2012

Change can be very refreshing; for Document Strategy Forum they have instituted a whole suite of changes for this year’s conference and exhibition. The major change for those used to attending in Chicago every year is the shift in venue to the Hyatt Regency in Old Greenwhich, Connecticut. However, the change doesn’t stop there with additional opportunities to learn and engage with vendors on the floor through the Vendor Showcase in the Application Theater.

Of course, change has its challenges too...

This year the conference has the added attraction of competing with Hurricane Sandy; the event is “still on!” according to the conference organizers, so with raincoats in hand the conference will press on. Even with mother nature throwing a wrench into things, we here at Crawford Technologies are looking forward to returning to Document Strategy Forum as an Exhibitor (Booth#208) and a presenter in the Vendor Showcase (Tuesday, October 30, 3:30pm).

The Vendor Showcase is something you won’t want to miss and best of all it is free to all Document Strategy Forum attendees. These 30 minute sessions will take place right on the exhibit floor in the Application Theater. Crawford Technologies is kicking off the sessions by Revealing the Future of Document Strategy and Management. If you are going to be on the floor make sure you swing by for the presentation from our very own Ernie Crawford, President of Crawford Technologies.

Then there are the exhibits. As mentioned earlier, CrawfordTech will be exhibiting our solutions for High Volume Transactional Output and Enterprise Content Management in Booth #208. But the real question on people’s mind is why should they stop by and see us on the exhibit floor. The answer is increased productivity, more flexible content delivery through multiple channels and the ability to solve complex print, mail and archive business issues through a modular and affordable solutions approach.

In short: Reduce Costs, Increase Productivity, Improve End-Customer Satisfaction and Retention.

Our ultimate goal is to make sure you can meet the needs of your customers when, where and how they require it with the most efficient and economical solution.

If you are looking to obtain the above goals in your Enterprise Output Management or Enterprise Content Management and archive areas of your business, then make sure you stop so we can find out what challenges are affecting your business. One-size is does not fit all in our print, mail and archiving industry, so let us show you how we can quickly, affordably and seamlessly turn your challenges into business wins.

We look forward to seeing you at Document Strategy Forum next week.

Want to learn more while you are at Document Strategy forum, but need a set time? Book a meeting with us during the conference and exhibit today.

Last week’s reading list looked heavily at news in the digital mail and digital mailbox services marketplace. This week we are switching gears to take a look at the digital print production market including high volume transactional output and automation. As part of that workflow discussion we have included news from the USPS and their productivity decline and a look at best practices in B2B communications.

Also, with GRAPH EXPO 2012 right around the corner, be sure to check our page on The Printerverse to find out how to register for our two demonstrations (Digital Mail and Workflow Automation) and a chance to win a free GRAPH EXPO session pass.

Switching gear this edition, we are focusing on digital print and the idea of innovation. This week in the news we take a look at the future of digital printing from iPads and diapers to the outlook in Russia. As a part of that, Trade shows come in to play, which is why recent IPEX news of those going (and not) and the travelling road show is top of mind.

Finally, we found a thoughtful piece from WhatTheyThink? on innovation. They bring forward the idea that it is easy to talk about, but hard to do. The result? Well, you will have to read on to find out what thought-leadership they provide in this week’s edition.

Is idea execution hard for your company?

Have other links we should feature? Tell us about them in the comments section below.

Diapers and iPads … Signs of the Time for Printing and Paper (via InfoBlog)—what do diapers and ipads have to do with the future of printing and paper? Jeff Hayes gets his inspiration from real life experiences (four kids explains the diapers) and being an analyst in the print and paper industry. Has the future of printing and paper changed forever? Find out Jeff’s interesting perspective on why companies need to transform their business.

Where the Growth is: Digital Printing in Russia (via InfoBlog)—in this post submitted by Ralf Schlozer, the focus is the future of digital printing, but not where you might expect. This conversation looks at Russia and the growth in that market. Is it sustainable? Profitable? And should webe paying attention? Read on to find out the real story behind the growth and its impact on the industry.

Ipex 2014 Starts Its Journey With World Tour (via MyPrintResource.com)—it is almost time for another Ipex and for some it is hard to believe that four years has already passed. Last Ipex saw Heidelberg and HP as the largest exhibitors and a rebranding announcement from InfoPrint Solutions, now Ricoh Production Print Solutions (RPPS). What is in store for 2013 and why is there a travelling road show? Click on the link above to find out.

Heidelberg pulls out of Ipex 2014 (via ProPrint)—right on the heels of the Ipex world tour announcement came a blow to the exhibitor list. Heidelberg, one of the largest exhibitors at Ipex 2010 has decided not to attend the show. The reasons they cite aren’t just financial, but strategic. Is this a trend or specific to such a large printing press manufacturer? Find out in this article hot off the press today.

Innovation: Easy to Talk About, Hard to Do (via WhatTheyThink?)—is execution the nitty gritty while ideas are revered as sexy? Or are we “drowning in good ideas”? Jennifer Matt takes a look at the conundrum of wanting creative ideas and the actual ability to execute. Maybe the executers are really the people we should worship and not those who have the ideas. See what you think after reading this thought provoking article.

Webinar: 16 Ways to Improve Cross Media Communications With Minimal Change and Risk (via CrawfordTech)— Do you do business in Europe?

Here we are with another edition of the Crawford Technologies Weekly Reading list! At the end of last week we saw a sign of the times with a major school changing its name. Also in the news this week is an Australian company that is betting on digital mail and digital mailbox services to be the future revenue stream of their business. Some might think that is gutsy, but will they come out ahead?

In other mailing news this week, the USPS is in the headlines again with an unfortunate and significant loss for third quarter. Ironically, on the flip side we are told that print is still alive and has a future—specifically in variable data printing.

Finally, we have an invitation to next week’s Top Considerations For Your ECM Strategy Future webinar that will look at EMC Documentum and what companies should be looking at to make sure they are getting the most out of their archiving system of record. It has been shown that only 20% of business reports and documents are housed in the main archive system of record, this webinar will help you consider what to do with the other 80%!

Is there a future for variable data printing and can digital mail be the future?

Have other links we should feature? Tell us about them in the comments section below.

RIT Drops 'Print' from School's Name (via Printing Impressions)—the Rochester Institute of Technology is set to change history by changing the name of its School of Print Media. Find out what the new name is and why it is a “sign of the times.”

Computershare looks to digital postboxes as profits slump (via ProPrint)—when profits slump 41% you have a problem. For Computershare, they saw the writing on the wall some time ago and have been working to turn the ship and look for smoother waters in new technology. Where are they set to drop anchor? Digital Mailbox Services. Find out why and how they are doing it.

USPS posts $5.2 billion net loss for Q3 (via BtoB Magazine)—in the headlines again is the USPS with the announcement of the third quarter results. Find out more and how this is impacting the future of the USPS. Some might say this is why companies like in the story above are banking on digital mail.

Why Variable Data Printing is the Future (via MailPrint)—after the “No Print” Day fiasco it is clear that print is still alive and kicking. But what is the future? Some say it is variable data printing and they even have data to back it up. Read on to find how variable data printing is changing the printing landscape.

Webinar: Top Considerations For Your ECM Strategy Future (via CrawfordTech)— Crawford Technologies invites you to join us and learn about the latest strategies and top considerations for storing, loading and organizing high volume transactional documents in EMC Documentum.

Welcome to the first week of August; this is a time of year where many of us in the Enterprise Output Management and Enterprise Content Management industries are planning for the coming busy trade show season. It is also a time when many people are on vacation, so while our customers, partners, followers and employees take time with their friends and family we are keeping an eye on what is new, exciting and relevant in the news.

This week we look at the different types of inkjet (it might surprise you how many there are), liquid toner and the connection to Australia, Pitney Bowes in the financial news, an interview with a leader in Digital Mail, news from Manilla on their provider base and an innovative use of a QR code.

Which type of inkjet impacts your business the most?

Have other links we should feature? Tell us about them in the comments section below.

As we roll into late July I am sure the summer feels as though it is fleeting for many of us; right around the corner is back to school and not too far off the next set of trade shows. However, as we take in the beautiful days of summer, we must keep an eye on the trends taking us through toward third quarter.

Digital Mail continues to be a hot topic and we have some interesting news in the global arena including a strategy for India and a push for adoption that includes a video explanation of benefits. Looking at the document market, we have information on a new study released analyzing the Document Outsourcing Market. On the postal mail side of things the USPS looks at multi-channel for online merchants and GMC is acquired by a Pitney Bowes competitor.

What topics are moving your customers to engage with your company?

Have other links we should feature? Tell us about them in the comments section below.

USPS to reprise QR promotion for online merchants (via BtoB Magazine)—are your customers looking at doing Cyber Monday promotions? See how QR Codes play in the next wave of USPS offers for the print and mail industries.

Pitney Bowes outlines growth strategy in India (via The Times of India)—a global provider in mailing solutions, Pitney Bowes has been committed to expanding into global markets for some time.
What a long-dead Italian economist can tell us about making new revenue from documents today.

Want to know more about this topic and how to create new revenues from existing documents? Register for our free webinar now...

The year is 1906 and an Italian economist is counting the peas he has grown in his garden. Who knew that over 100 years later this simple action would lead to an undeniable principle that can help all of us shape our profits in the 21st Century?

The name of this gentleman was Vilfredo Pareto, and his research has led to an oft-quoted mantra about cause and effect that you have probably used at least once in your life – the 80/20 rule, or Pareto Principle. It came about when Pareto noted that 80% of the peas in his garden came from 20% of the pods, and so a research project was born to see if that rule held up elsewhere.

It was another learned gentleman that uncovered Pareto’s work and proceeded to flaunt its simplicity and brilliance, Joseph Juran, but it is in recent years that researchers have taken the Pareto Principle to task in order to test whether it is really true or not.

And guess what? The Pareto Principle largely stands up under even the most stringent scrutiny…

Everyone from Xerox to the IDC and even the United Nations have tested the theory, and found that within a tolerance of 5%, the 80/20 rule works just fine across a range of cause and effect scenarios.

Here are a few examples:

• 80% of your profits come from 20% of your customers

• 80% of the World’s GDP is controlled by 20% of the people

• 80% of new business comes from 20% of your existing customer base

• 80% of documents produced by computer systems come from 20% of your IT spend

Let’s focus on those last two examples for a moment.

If you want to make new money in today’s cash-strapped environment, where do you currently look? Do you go out and find new places to do business? Do you move to pastures new and seek opportunities to expand your territory?

Or do you find new business by talking to your existing customers; the very people who already decided to do business with you in the first place?

Pareto suggests that if you focus on the top 20% of those existing clients, you will find 80% of your new revenue opportunities.

What about that document production statistic then? What does that really mean?

If we look at all the documents that are produced by computer systems, it turns out that the majority of them are not letters in Word, spreadsheets in Excel or pretty brochures from Adobe Illustrator. No.

The vast majority of documents produced and delivered in the world are transactional in nature; bills, statements and invoices. And they come from the ERP and financial systems, which make up around 20% of the overall IT budget on average.

So if the majority of output is transactional in nature and already goes to existing clients, and existing clients are where 80% of your new revenue opportunities exist, why aren’t we making better use of these outlets to talk to our customer base?

We can’t answer that question directly here, but thankfully we can tell you how to take advantage of your existing output to generate new revenues, without application or process changes. Sign up for our webinar using the link below, and we'll do what we can to point you in the right direction.

Thanks to Mr. Pareto, his famous peas and 100 years of research into his work, the 80/20 principle stands up. Now is your chance to do the same…

Want to learn more about Mr. Pareto and 15 things you can do with a print-stream to generate new revenue? Register for our free webinar now...

The UK’s national postal service is the latest to provide an ‘IMB’ system for tracking and tracing mail.

Royal Mail is a national institution in the United Kingdom. Responsible for universal mail delivery and collection in the UK, the organization delivers over 80 million items every working day.

As you can imagine this creates a need for tracking and confirmation services for mailers. In the U.S.A., the USPS has offered an IMB solution for some time, while in contrast Royal Mail has been busy developing various alternative systems to meet the needs of the UK population. That work is about to come to fruition with the release of a new IMB solution.

A product named Red Tag was due to become the Royal Mail’s initial foray into IMB a year ago, but this was put on hold after a limited trial period. Revitalised and re-launched as ‘Enterprise Intelligent Barcode’ (EIB), the new and improved tracking and tracing system will get a public airing next week at an exclusive launch event in London.

Of course, as we work closely with Royal Mail and other postal services, we’ll be at the event to bring you more details. Crawford Technologies has been providing an industry leading IMB solution for many years through our PRO Mail Tracker and PRO Unique ID Manager products; these products produce the barcodes and maintain the unique ID databases for each mail piece while interfacing with current mailing environments.

As Royal Mail launches their Intelligent Mail Barcode solution, CrawfordTech leads the way in providing software to help you integrate this new offering quickly and efficiently. Through our proven IMB solution we give our customers the ability to produce the barcodes post-composition with no changes needed to applications, document composition systems or processes. The result is increased productivity, better tracking and more revenue added to your bottom-line.

Look out for more details on Royal Mail’s Enterprise Intelligent Barcode programme as they become available.

Welcome to the latest edition of our Weekly Reading List for the print, archiving and alternate formats industries.

In the news this week is an article from Document Boss that goes into detail about customer communications management and what it means for the future of dynamic document management. We take a look at Accenture's report on high performance in the postal industry which answers the question "how can we make the right strategic choices to build a sustainable future?".

We also want to invite our followers to two new webinars delivered in association with Xplor International and Xplor UK & Ireland. Both of these educational sessions aim to answer some important issues, including where the digital mailbox service industry is going and how to generate revenues from existing print streams.

Finally, following the recent news from HP and Agfa that they are not exhibiting at Ipex 2014, who else is considering their options?

Landa to review Ipex participation (via ProPrint)

Following the high-profile exits of both HP and Agfa, Landa decides to review their participation in the event.

Customer Communications – the new frontier for dynamic document management (via Document Boss)

A look at some of the compelling business drivers that are fuelling an increased spotlight on the Document Composition and Automation sectors that straddle both ends of the ECM niche - from input to output.

North America Webinar: Multi-Channel Delivery & Digital Mail: Business Considerations You Can't Afford to Miss (via Xplor International)

We invite you to join Xplor International and Crawford Technologies as we take an educational look at the challenges of multi-channel delivery and the quickly increasing need for digital mailbox services. During this webinar we will take a light (and sometimes humours) look at the business considerations you can’t afford to miss. Register now.

Are you ready for Full Service IMb to maintain Automation Discounts? (via CrawfordTech)

Most if not all of us have started the transition to BASIC IMb with the retirement of the postnet barcode slated for January 2013. The question is, are you ready for the Full Service IMb in January 2014?

Achieving High Performance in the Postal Industry: Accenture Research 2012 (via Accenture)

In their fifth study of high performance in the postal industry, Accenture aim to answer the key question faced by postal organizations: How can they make the right strategic choices to build a sustainable future?

EMEA Webinar: 15 Things You Can Do With A Print Stream to Generate New Revenue (via Xplor UK & Ireland)

In this webinar, presented in association with Xplor UK & Ireland, we'll take a look at how a long-dead Italian economist foretold the future, what his research means in the 21st Century and how you can take your existing communications and turn them into revenue-generating goldmines. Register now.
