In an era where our lives are increasingly documented through photographs and digital media, safeguarding our precious memories has never been more important. Photos, videos, and memorabilia serve as windows to the past, preserving moments of joy, love, and nostalgia. Yet, these cherished keepsakes are vulnerable to a variety of threats, from natural disasters to electronic mishaps. In this blog post, we’ll explore the significance of protecting your photos and memorabilia and discuss the role of cloud storage options in this endeavor. We’ll also take a closer look at FOREVER®, a platform that offers a comprehensive solution for preserving your cherished memories.

The Value of Memories

Photos and memorabilia hold immense sentimental and historical value. They capture family milestones, preserve the stories of our ancestors, and offer a tangible connection to our past. From wedding albums to childhood photos, these tangible treasures can bridge generational gaps and create a sense of continuity within families. However, their physical fragility and susceptibility to decay demand that we take proactive steps to protect them.

Natural Disasters and Age Degeneration

Natural disasters like floods, fires, hurricanes, and earthquakes pose a significant threat to physical photos and memorabilia. These catastrophic events that seem to happen with greater frequency, can destroy not only our homes but also our cherished keepsakes. Over time, even if they avoid such disasters, photos and printed materials are prone to deterioration due to factors like humidity, light exposure, and aging. Attention to the materials used to store photos and having storage conditions that minimize temperature variations and exposure to light will minimize the damage of physical aging. The other thing that can provide peace of mind is to create a backup – digitize all of your old media and then you can have multiple copies and store them in multiple locations.

Electronic Mishaps

Most photos from the last decade are digital and digitizing the old photos and media means that we rely heavily on electronic storage for our photos and videos. While this offers convenience and accessibility, it also introduces a new set of risks and challenges. One challenge we face as digital photography evolves is managing all of the places we have photos – camera cards, countless USB drives and various computers, tablets and phones. Misplacing or losing small storage cards, hard drive failures, accidental deletions, and cyber threats can wipe out entire digital collections in an instant. Therefore, it’s essential to have a process for consolidation, detecting and deleting duplicates and unnecessary variations and of course, have a comprehensive backup plan in place. If this seems daunting, a professional photo organizer, like me is a great resource.

The Role of Cloud Storage

Cloud storage has emerged as a reliable solution for protecting digital memories. It can be used to sync data across multiple devises or as a place to backup data and files and often times provides both of these benefits. Knowing the difference is crucial. When the cloud is syncing files, deleting a file from one device can actually delete it from all devices. A backup, however creates a copy of data that is stored on a computer, hard drive or other device. Having your files saved and stored in the cloud offers several advantages, such as:

Accessibility: Cloud storage allows you to access your photos and memorabilia from anywhere with an internet connection, ensuring you’re never far from your cherished memories.

Redundancy: Most reputable cloud storage providers store your data across multiple servers and data centers, reducing the risk of data loss due to hardware failures.

Automatic Backup: Many cloud services offer automatic backup options, ensuring that your new photos and videos are continuously safeguarded without manual intervention.

Sharing and Collaboration: Cloud storage makes it easy to share your memories with family and friends, building connection and facilitating collaboration.

Be familiar with the Terms of Service

Popular photo sites

However, beware. Not all cloud storage options are equal. When you create an account with any provider it is wise to know what rights they have to access and use the files you store and learn about any guarantees they may or may not offer. All of these popular sites that offer a place to store your photos have had significant updates to their terms of service in 2023. Some of these changes caught customers by surprise and made national news when they found that years of photos were deleted. Know the details in their terms of service:

Privacy: Storing your memories in the cloud means entrusting them to a third party, which may raise privacy and security concerns. Have you read the “fine print” and do you know what information you give them rights to when you create an account?

Subscription Costs: While some cloud storage options offer free plans, higher storage capacities often require a subscription fee. Consider what happens to your files if you stop paying for the subscription.

Legacy Rights: What happens to the account and files when you die? Can rights, access and ownership be transferred?

File formats: Which file formats are allowed? What happens when/if a format becomes obsolete? Will the provider migrate the files to the new standard?

I wouldn’t consider myself a minimalist, but I’ve discovered that too much “stuff” and clutter makes me anxious. This realization came to me a few years ago when we moved out of a large home into a much smaller, temporary rental in preparation for a major move across country. I had to let go and get rid of a LOT of stuff. And the more I tossed or donated, the lighter and freer I felt.

When I started to downsize and purge, I started to appreciate more the things I chose to keep. I felt lighter and dare I say happier with cupboards, closets and drawers that weren’t stuffed with things I rarely used. I have a love of kitchen gadgets, but once I got rid of the duplicates, worn out or rarely used things in my kitchen drawers, it became so much easier to find things when I needed them. And I actually looked forward to making meals in my kitchen.

Can you Relate?

You might be wondering just how sharing these insights about myself has anything at all to do with photos. Well, these same feelings and principles hold true for my photo collection. Having photos everywhere and in all sorts of formats both physical and digital makes me feel overwhelmed and anxious. Can you relate? Unorganized photos prevented me from doing anything with them. My scrapbooking and album making slowed and stopped when I quit printing photos. I embraced digital books early on, but not having an organizing system for the digital files made even creating the annual Christmas letter a chore.

Our two big moves in two years really pushed me to address my own photo overwhelm and look for the best photo storage solutions available. In that same timeframe, I retired from my full-time corporate career. I turned my passion and “side-hustle” into a business. While working full time and sharing my love of photos and memory keeping in my “spare” time, I focused on sharing and teaching digital scapbooking. I recognized a common theme with my family, friends and clients. They all loved the IDEA of books, albums, photo gifts, personalized cards, etc. But one major factor holding many of them back from creating these priceless treasures and truly enjoying and celebrating their memories was a sense of overwhelm. Before they could embrace story telling and photo projects, they wanted and needed to feel in control of their photos.

Photo Overwhelm prevents us from enjoying the memories

I knew what I needed to do. First, I had to find a place for my own photos that I had complete confidence in. Second, I had to have a process and a system that I could teach others. I knew that some would choose to hire me to do the work, but others would choose to do it themselves. They needed a photo coach and a “helper”. A business and a brand was born – Your Photo Helper.

Where to start

As with almost any project, getting started is often the hardest step. But having an end in mind, a vision of what I wanted my photo collection to look like was the first step. I thought about where I wanted my photos to live, how I wanted to search and find files. And I considered how I wanted to be able to share files and ultimately how I would pass my collection on to future generations. Creating a plan, considering all these things before touching a single photo will save you time and frustration.

A Wish-list for My Photo Storage Solutions

Downsize my physical photos and memorabilia – keep only the best and most important photos. I knew that if I left the mess, most photos and other things would end up in the trash.

Find archival storage containers for my photos, albums, negatives that I did decide to keep

Get all my physical photos, slides, negatives, video, audio digitized so that they are protected from natural disasters beyond my control like flood, fire, tornado, etc.

Store digital photos and files in a safe, secure, private online/cloud storage account that I do not have to rent (pay a monthly fee to keep access to the data stored there)

Photos need to be accessible from whatever device I’m using – phone, computer, ipad

Files need to be easy to share with friends and family if I choose to

Easy to search and find specific photos quickly

Automatically snyc and send new photos I take on my phone to my cloud storage. Must work with iphone and android as we are a house divided.

Preservation options so that I can determine who has access to and what happens to the photos when I pass away; assurance that my photos will last, live and be accessible for generations

Easy to organize – put in folders, sub-folders, add tags, change dates, and add other information or metadata that is attached and stored with the digital images

Facial recognition technology to help identify people in my photos more easily

Design and print interface or software that makes printing photos and creating books and other product with my photos seamless

Great customer service and support when I have questions

A guarantee that my photos and videos will always be viewable…even if technology evolves and file formats change. I do not want my grandchildren or great grandchildren to have to re-digitize files. Future generations should not have to invest in new hardware to access the memories. I could not have imagined this as a possibility until I discovered a company that includes this in their promise to their customers!

This is a long and lofty wish list. I have explored and tried many different software and services over the years! As a Certified Pro with The Photo Managers, I have had access to experts and companies blazing the way in the quickly growing and ever-changing area of photo organizing and memory keeping.

Getting and keeping your photos organized is a process that requires commitment, but it can be done in small steps.

My Mission

Years ago, I decided that I would be the memory keeper for our family. I did it to leave a legacy for my daughter who would never meet three of her four grandparents. I did it to give her a connection to her past and where she came from. That personal mission has evolved into a business…a dedication, a passion to help other memory keepers and family historians preserve the photos and stories of their families. Don’t let overwhelm prevent you from creating a photo storage solution that helps you feel in control. Once you are confident that your photos are safe, protected and easily accessible it’s so much fun to get creative. Photo books, home decor and photo gifts are priceless treasures to celebrate your memories.

No one could have ever imagined or predicted the events of this past year. We will be talking about it for years to come – grandchildren and great-grandchildren will ask “what did you do during the global pandemic of 2020?” or “what was it like?” Have you captured the stories that are hiding in your camera roll? As I looked back on the photos I took this last year and scrolled through the photos and stories in my Facebook feed, there are several themes that are become obvious. Do you have stories similar to these or are there different storylines in your photos?

Dog adoptions and sales soared during the pandemic.

Thanks, Mom, for the new bed!

Were you part of this trend?

I lost track of how many in my circle of friends got a new pet during 2020. We actually adopted our dog in the fall of 2019, so pre-pandemic, but she was one of my lifelines during the isolation of lockdown. Dixie was my reason to get outside every day and walk around the neighborhood – she got me out, moving and at least from across the street, interacting with my neighbors. She was and is a great source of companionship and entertainment in our lives and a big part of our Pandemic Story.

Reviving New Hobbies and Old Interests

Spending so much time at home, I found myself cooking a lot more…and taking pictures of some of the more creative meals I attempted. I’ve always enjoyed cooking and baking, but a busy schedule often meant meals on the go and quick, easy familiar dishes. With more time to search for recipes and prepare meals, I got a bit more adventurous in attempting new dishes. My daughter and I made Moscow Mule cupcakes and Cocktails to celebrate my 60th Birthday.
We also looked for new forms of entertainment and relaxation – things we could do together. It was difficult to find puzzles to buy and shipping delays stalled my first Diamond Art creation – a new activity that I tried, sort of a cross between paint by numbers and counted cross stitch, where you place small “diamonds” on a coded sticky canvas.

This 2500 piece puzzle took over our dining room for days

How many puzzles did you put together or did you start a new hobby? My camera roll has several photos of completed puzzles and colorful sparkly Diamond Art. I found both of these activities soothing and something I could do to take my mind off of the negativity in the news. My husband found his comfort and escape in the yard, planting and tending to dozens of flowing plants and feeding the birds. He also started an extension to our patio that will be finished this summer, giving us a backyard oasis!

Remote Learning and Home Schooling

Homeschooling was new to many parents during the pandemic of 2020-2021.

I no longer have young children at home, but did have a daughter in college when lockdown began. The adjustment that students and families had to make was hard for many, but so many seized the opportunity to create amazing memories. I love seeing the photos and stories of how families turned the challenge of social distancing and spending a lot of time at home into new family adventures and experiences….like a neighbor who decided to home school her kindergartner and 3rd grader and turned a spare bedroom into an adorable classroom and learning space.

And another single mom with two kids along with her sister with two kids who turned an RV and road trips into learning lab adventures, giving their children a school year that they will never forget!

Staying connected with ZOOM

Staying Connection During a Pandemic

I wish I’d owned stock in ZOOM in 2019….it was trading between $50-75. Today, in March 2021 the price is $345 and at one point was selling for nearly $590 a share. Once a relatively unknown video chat program and now a tool that millions of people use daily or weekly to conduct business and stay connected. It certainly played a prominent role in my Pandemic Story! I have dozens of screenshots taken of group events and one-on-one connections. I felt like it was one of the most things I used to stay in touch with friends and clients. How about you – had you used ZOOM before lockdown? Did it become a frequent tool to engage with your friends, family, and community?

Creative Celebrations

Thousands of Spring Grads at Texas State University were unable to take the traditional plunge in the river in 2021.

The last common theme I’ve seen in so many photos, and hands down my favorite of the past year is the creative way people have found to celebrate birthdays, anniversaries, weddings and so much more. I mentioned that I had a daughter in college. Well, she graduated in May 2020…something that she had dreamed of and planned for at least the last four years! Despite the school not having an in-person ceremony, she and her best friend celebrated in ways that will be remembered and recounted for years to come. They included a clandestine jump in the river – a Texas State tradition that sympathetic security guards enabled and allowed despite the park being officially closed – a golf cart parade in their cap and gowns, and a 5-second march past the TV screen to Pomp and Circumstance as their names were called during the virtual ceremony.

So, what stories are on your Camera Roll for 2020? Have you written them down? If not, do it for yourself but more importantly for your children, grandchildren, and future generations. They are a priceless gift that you can share!

Would you like to see some easy tricks to help you remember the story to document this unprecedented year? I got some tricks up my sleeve!

What gift can you do you give a 95- year- old grandmother for Christmas?

She lives in a small room in an assisted living facility – she has no room for “things” and really needs nothing.

Well, this year we gave her a digital photo frame, never imagining the joy, entertainment and comfort it would bring. Although digital picture frames are not new, because of some of the features that this one offers, it turned out to be the Best. Gift. Ever.

Personal

A photo gift is always personal, and can be one of the most touching and treasured gifts you can give. In this case, we loaded the frame with family photos of my grandfather, who died less than one year ago, my father who has been gone for more than twelve years, and all the rest of the family – my aunt and uncle, all the grandchildren and spouses and all the great-grandchildren, some of whom she seldom sees.

One of the frame’s features is the ability to caption photos. I did not realize how helpful and important this would be. As she ages, my grandmother is having a hard time remembering names of even family members and how grandchildren and great-grandchildren are connected. Now, when she sees the photos and captions, we can remind her who people are, who they are married to and which grandchildren belong in which family.

Automatic

This hi-tech gift had the potential of being too much for grandma to operate, but because it is wifi connected, I was able to configure the settings so she needs to do nothing other than make sure it stays plugged in.

Nixplay WiFi Cloud Frames

I was able to set it up to turn on and off at specific times of the day. While it is on, there is a motion sensor that “wakes” the frame up when someone walks by it or waves at it, but it “sleeps” when there is not activity in the room. Grandma, who is very challenged by even the TV remote, doesn’ not need to do a thing.

The wifi connectivity to the clould also allows me to manage the photos from anywhere using my computer or an app anywhere. Grandma was amazed and awed that I could add or delete photos, update captions and make other changes from my sister’s house a few miles away, or even my home in Texas, thousands of miles away!. I am still experimenting and learning myself, but I plan to add special little surprises and greetings for her birthday, and Valentines and Mother’s Day.

Enjoyable and Entertaining

I was able to visit her several times after we had the frame set up in her room. Each time I did, Grandma told me again and again how much she enjoyed it.

She said that she spends hours watching it and that it keeps her company. She said, “it’s like I have visitors.” Since lonlinessloneliness has been her most mentioned issue since moving to assisted living, anything we can do to visit more often and make her feel less alone is important.

Photos are special – they connect us and remind us we are loved. And finding the best way to present and share them is key. This gift connects me to my grandmother. Do you know someone who would enjoy something like this?

The ability to take pictures on several different types of electronic devices that live at the end of our arms is an unprecedented phenomenon. Never before in history has so much of modern living been recorded on so many mediums. Even the last ten years have brought tremendous new advances in photography that make recording our lives in photos practically effortless.

And we do a lot of it.

The unfortunate side of this has been the sheer number of photos we need to manage now. There are so many that software companies have struggled to keep in step with the organization and management of our digital recordings.

We have plenty of things to store our photos on. But capturing and storing them out of sight is not the point of photography is it?

Isn’t the point of photography to capture memories so we can easily recall them? Don’t we take pictures so we can look at them? Storing them is not a problem. How can you organize your hundreds and thousands of photos so you can see them?

It was only after the invention of digital photography that digital photography management became available. When the camera phone was invented, nobody thought about what people were supposed to do with all these photos they were taking! By the time people started figuring it out, many people already had photos scattered across all manner of electronic outlets with no way to manage them. Cloud storage became a thing only AFTER it was realized that people used more than one electronic device. Google ramped up Google photos AFTER millions of photos were taken and promptly forgotten.

Click To Tweet

Those of us who have lived with our ever advancing electronics these last 10 years often have an abundance of disorganized photos just lying around. Many of us have used one or more of these methods for photo storage in that time. Remember when a “camera phone” was a new thing? It wasn’t that long ago!

Think about it. You probably have photos on your:

Phone

iPad

iPod

Tablet

Laptop

PC hard drive

Digital Camera

Digital Camera memory cards

Thumb drives

And from what feels like a looooooong time ago, you may still have CD’s – and lots of them.

That is in addition to all of the printed photos you have from the dinosaur age when digital photos weren’t a thing yet.

What the heck are you supposed to do with all of them?
Gather them all up, and bring them to me. Let me help you make sense of this disorganized, forgotten mess. Because after all, isn’t that the point of taking pictures – to see them?

Minimalism is a growing trend these days as people become tired of managing all of their stuff. When we downsize, we start to see the beauty in having more time for things and people that matter in our lives rather than constantly managing our belongings. This applies to all areas of our lives and homes. People can downsize their wardrobe, the kids toys, unused furniture, and yes, even memories.

If you’re downsizing, getting rid of things you want to keep doesn’t necessarily accomplish anything, especially when there is a memory attached. However, most would agree that staring at boxes and boxes of stuff that never sees the light of day gets to be tiresome. It just feels like one more thing you need to do that, let’s face it, is never going to actually be done.

It’s amazing the feeling that you get when you get rid of things you don’t need. We don’t even realize the toll our belongings take on us until they are gone. A weight you don’t know you’re carrying is lifted when you get rid of things you don’t need or use. Donate them, throw them out, repurpose them, etc.

This includes your photos, particularly the ones you have sitting around in boxes. Go through your photos. If you want all of those memories – every single one – then keep them! If they are precious to you, take them out of those dusty old boxes and do something with them so you can revisit them. It’s a shame to let precious memories sit unseen. For those photos you really do want but can’t figure out how to keep, I can help you decide on a creative solution for making use of your photos.

What about the ones that you come across that don’t exactly spark any sort of memory or feeling? Do you hold on to those ones anyway, in case you may decide one day you may want them? Are you saving pictures you aren’t necessarily fond of- just because they show someone else? Are you afraid it would hurt someone if you threw away a picture of them?

For those photos that you aren’t attached to, know that it’s ok to let them go. Holding on to stuff that you don’t care for feels burdensome. It creates clutter and confusion.

Filtering out the photos that are especially precious to you makes them more accessible through the muddled mess of those that aren’t. It’s ok to be deliberate about highlighting your memories – especially the important ones.

For the important ones you want to keep, I’ll help you turn them into something beautiful that you can see. That way, you can see your memories rather than dusty old boxes.
