The answer depends on what the item is. If it was an error, like something entered twice, then it is okay to void, delete, and or make an adjustment for the item. I usually delete or make a deposit adjustment. If the item is money intended for someone else, like an un-cashed payroll check, customer overpayment, or un-cashed check, then there are state rules that govern what should happen to the money. Some states perform audits and some don’t.

All states have unclaimed property laws. These laws require that certain abandoned property be turned over (escheated) to the state after a period of time. Generally, you must report and pay these monies to your state annually. In some states, you must file a report even if you have no property to report.

Search your state’s Dept of Revenue website for more information. Click here to find a link to your State’s Unclaimed Property Division. Although these links are intended for people looking for money, it will get you to the general area of your state’s website to get the information you need.

This doesn’t mean you have to wait to notify someone of an uncashed check. It is good practice to send a notice sooner, I suggest in the 3rd quarter of your fiscal year. Ask the payee if they have it and, if not, would they like a replacement.

Here is one way to handle these transactions in QuickBooks:

Create a liability account to hold the money until it is time to pay the state (some states you must wait 1-5 years before sending the money)

Lists > Chart of Accounts, or Ctrl+A

Right Click and choose New

Choose Other Account Types, Other Current Liability (or Long Term if holding over a year)

Name it something like, Unclaimed Property Payable to State

Make a Deposit entry to offset the check written:

Go to Banking > Make Deposit

Fill out top of deposit form, in the memo line, enter “Adj. to unclaimed property for check #xxxx” or something similar

In the From Account, choose the Unclaimed Property Payable to State account you just set up

Fill out the memo line, you will need detailed info when paying to your state

During the bank reconciliation:

Check off the uncleared check and check off the deposit entry

You could set up a reminder under Company > To Do List in order to remember when to pay these amounts to your state, based on their rules.

Pay the State:

When it is time to turn over the money, simply write a check and use the Unclaimed Property Payable account in the check detail area.

Don’t forget to place a stop payment with the bank if needed.

Michigan Specific Unclaimed Propery Information

The due date for reporting property unclaimed as of 3/31/xx is 7/1/xx. The Michigan unclaimed property rules can be found here. You must attempt to notify the holder of the property that the money is going to be turned over to the state. Notice must be sent not less than 60 days, nor more than 365 days, before the filing of the report. This requirement only applies if all of the following conditions exist:

1. The address for the owner does not appear to be inaccurate.
2. The property has a value of $50 or more.
3. The statute of limitation does not bar the claim of the owner.

Early reporting is allowed after a two year holding period.

Here is where you should stick it:

Click on the little arrow right before the C drive under Computer on the left hand side

Scroll down to Users and click the arrow to expand

Find your user name and click the arrow to expand

I start most of my QuickBooks training videos and tutorials with PowerPoint slides. I figure out what I want to say and enter it in the notes section of powerpoint so I can record it later or create handouts/pdf files of the tutorial. When I needed to print out the notes page, powerpoint was also printing the slide images and that wastes a ton of toner, my friend! So with a little research, I discovered how to not print the slide images with the notes page and thought I would immortalize the instructions here in case you need to know how to do this too! Or better yet, so I won’t forget how to do it later!

How to Print Notes Page in PowerPoint 2010

Go to File > Print > Settings Section

Click down arrow next to section option that should say “Full Page Slides”

Select “Notes Pages” under the page layout section.

How to Print Notes Pages in PowerPoint 2010 Without Slide Images

Go to View on menu bar

Select “Notes Page” under presentation views section

Click on the slide image and then delete it using the delete key

Update: So I was shocked to see my little ole post actually show up in searches about notes pages. So I guess I will address what someone was searching for…how to add the notes page slide image back if it has been deleted or just doesn’t show up.

How to Put the Slide Image Back on the Notes Page

Go to View on menu bar

Select “Notes Pages” under presentation views

Right click on the slide in the area where the image should be

Choose “Notes Layout”, then check the box for Slide Image

Ta Da! There it is.

The automatic printing of QuickBooks reconciliation reports is caused by a corrupted QBPRINT.qbp file. You will need to have Quickbooks recreate a file named QBPRINT.QBP.

Older Windows Versions:

1. Go to C:\Documents and Settings\All Users\Application Data\Intuit\<Quickbooks Version> (or go to the folder that you installed QuickBooks in)

2. Right click on the QBPRINT.QBP file and rename it to QBPRINT.OLD.

3. The next time you reconcile, Quickbooks will automatically recreate this file and will give you the option to Print, Display or Close.

*Please note: Application Data is a hidden folder. To show this folder go to Tools/ Folder Options and select show hidden files and folders. Click apply and then ok.

Windows 7:

1. Open windows/folder explorer (right click on start button)

2. Navigate to C drive

3. Click the Organize button in toolbar

4. Select Folder and Search Options

5. Select the View tab

6. Make sure “Show hidden files, folders, and drives” is selected and click okay

7. Select the Program Data file in the C drive

8. Select the Intuit folder and then the QuickBooks version that is having the problem

9. Locate the QBPRINT.qbp file and rename it to QBPRINT.old

QuickBooks will automatically recreate this file the next time you print from that QuickBooks version and you should be all set.

Chuckle….good ‘ole Undeposited Funds. A really helpful account that stumps a lot of people! The default in QuickBooks is to post payments entered through the “Receive Customer Payment” window or on a Sales Receipt to this holding account. There…that’s all it is! A holding account.

Some businesses may receive payments over several days and deposit them once per week. Others may deposit more frequently, but occasionally hold a received payment to deposit later. This account allows you to record the individual payments as you receive them and then group them together into one bank deposit.

When you review and reconcile your bank statement (a MUST DO task), you will easily be able to match up the bank records with your QuickBooks activity. Let’s not forget that one of the first things you would need to hand over if audited would be your bank statements. And since the IRS can now ask for a copy of your QB file during an audit, it would be in your best interest if the information matched easily.

Can you turn it off? Of course! If this model doesn’t work for your business, you don’t mind seeing individual payments posted to the bank account, or you just would like the option to choose which account when you are recording the payment, you can easily turn it off:

From the menu bar, go to Edit > Preferences > Payments, company preferences tab

Uncheck the box that says “Use undeposited funds account as default deposit to account“

Now you will see an option on the “Receive Customer Payment” window and on Sales Receipts that will allow you to select which bank account to post the payment to.

Watch the short video to see the workflow for using Undeposited Funds in QuickBooks.
