Inmagic DB/TextWorks v12 released

Inmagic has announced the release of DB/TextWorks version 12.

New and enhanced features include:

Improvements to batch modify, validation lists, and import functionality:

Batch modify to change more than one field at a time.
Batch modify field-to-field: Copy or move the contents of one field to another.
Update records to match validation list changes: When terms on a validation list are changed or deleted, corresponding changes can be made in affected textbase records.
Option to update multiple matching records when importing.

Enhanced search capabilities:

Thesaurus expansion when searching: Optional retrieval of preferred and related terms when searching fields connected to a thesaurus.

Enhanced E-mail options:

E-mail reports in HTML: Send Report as Mail now supports HTML format in the e-mail body.
E-mail reports grouped by recipient: E-mail reports sent to recipients identified in textbase records can optionally have all messages to a given recipient grouped into one e-mail message.

Advanced imaging. Capabilities support newer image formats, with:

Support for the latest version of PDF formats from Adobe® Acrobat® when treating the PDF file as an image field.

All clients with a current Inmagic maintenance subscription for DB/TextWorks should shortly receive an email from Inmagic with the download information for this new version. No date has yet been announced for the release of CS/TextWorks v12. If you have a current subscription but have not received a notification email in the next week or so, please email advantage@inmagic.com with your serial number and email address so it can be resent. Please also remember to let us know if your contact information has changed so we can update our records and pass this on to Inmagic.

Unfortunately this year Andornot will not be exhibiting at the SLA Conference which starts this weekend in Washington, DC. However we do encourage you to stop by the Inmagic booth (#1151) to discuss or see demonstrations of the latest versions of Inmagic products.

From Coast to Coast: Andornot at CALL & CHLA conferences

2 conferences; 2 user group meetings; 4 provinces; 6 client visits in 10 days!

Kathy and Denise are now back from a trip across Canada to the CALL conference in Halifax and then the CHLA conference in Winnipeg. It's always great to connect with so many clients and hear stories about how they are using Inmagic software and their ideas for future projects. It was also an excellent reminder for us that there is no such thing as a typical client as we met in beautifully appointed law firm boardrooms, small hospitals and tiny archives. Travelling is always an enlightening experience, especially as we were able to visit bustling, dynamic cities and sleepy backwaters, and see a huge variety of countryside as we drove around Nova Scotia, New Brunswick and Prince Edward Island. We do much of our work remotely, so it was wonderful to be able to finally meet some of our Manitoba clients face to face for the first time.

We would like to thank everyone who visited our booth, hosted us or attended one of our sessions!

West Vancouver Archives launches web search interface

The West Vancouver Archives has been a long time user of Inmagic software and Archives On line. A new searchable interface to their descriptions database is now available from the District of West Vancouver website at http://archives.westvancouver.ca/.

This interface was developed by Andornot using Inmagic WebPublisher PRO and Andornot’s Archival Starter Kit as a basis. A neat feature is the addition of links to biographical or administrative history data which is maintained in a separate textbase. To see examples of these, search on Cypress Park Primary School or Rupert Harris on and click on the Creator link in the full record display.

Over a thousand images have been scanned. Searches can be restricted to just these records by checking the box to limit to electronic items only on the Advanced search screen.

The archivist, Shaunna Moore gave us some great feedback:

Burnaby Art Gallery: Collection Management and Art Rental Systems

Andornot recently completed two projects for the Burnaby Art Gallery in Burnaby, British Columbia: one for the gallery's main collection and one for their art rental and sales program.

Collection Management System

The gallery's main collection is largely made up of works on paper by Canadian artists. Special consideration is given to the acquisition of multiples (e.g. original prints) and of works distinctly relevant to the citizens of Burnaby.

This collection was previously managed in a legacy database application only available to gallery staff. The gallery consulted with Andornot to replace the legacy system with TextWorks and to make the collection available on the web for public searching. The results of the project can be seen in the searchable database available on the gallery's website.

Notable features of the web portion of the project include:

Alphabetical lists of artists included in the collection, for easy browsing.
Quick links to artworks by popular artists and on popular topics (created using the Andornot Search Cannery).
Thumbnail images of the artworks in the search results when available, with the ability to expand to a full-size image. This feature was enabled with the Andornot Image Handler with the benefit that administrators need only create a single image, and the Image Handler dynamically generates thumbnails as needed.

The desktop portion of the project provides a TextWorks interface for managing artworks, artists and exhibits and includes detailed fields for tracking conservation history.

Art Rental and Sales System

The gallery's popular art rental program provides individuals and organizations with access to contemporary works of art at very reasonable rates. The gallery was previously using two legacy applications to manage the artworks available in the program and the financial aspects of rentals and sales.

With a successful implementation of CS/TextWorks for the gallery's main collection complete, it was a natural extension to investigate using TextWorks for art rental management as well.

Darrin Martens, curator of the gallery, explains: "We wanted to make more use of the Inmagic software we already use to manage our collection and retire two older applications that weren't meeting our needs. The TextWorks databases that Andornot created are terrific and save us a great deal of time each month in managing art rentals."

Andornot's solution supports the management of artworks, artists, and clients, processing of rental and sale transactions, monthly and quarterly billing, and generation of annual client and artist statements. All functions and information related to the art rental program are now available in one set of linked databases, accessible to the staff who need it.

Inmagic Appoints Ron Matros as President and Chief Executive Officer

Inmagic releases Genie v3.3

Inmagic recently released version 3.3 of Inmagic Genie, a component of the Inmagic® DB/Text Library Suite. We highly recommend that clients upgrade as it contains some significant enhancements, particularly with regard to serials management. New and improved features include:

Batch emails now available for loans, serials, orders and ILL's, i.e. to send claim notices etc.
Improved workflow when adding new serials
Additional options for serials arrival date prediction
Serial volume and issue information copied to Item records
Batch subscription and arrival date renewals
Batch add/remove a borrower for selected subscriptions
Include location or other borrower field on routing lists
"Google-like" alternate search syntax automatically ANDs terms, when applied to selected fields

As long as you are running version 3 or later, you can skip any in-between versions and upgrade directly to version 3.3 (provided you make a few minor changes required with the v3.1 and 3.2 releases). If you are still running versions of Genie before v3 you will need to upgrade to v3 first.

Note: Genie version 3.3 requires .NET 3.5 SP1 which is not available for Windows 2000 Server. If .NET 3.5 is not already installed on your Windows 2003 Server, it will require a reboot, so we advise scheduling the upgrade accordingly.

Clients using Genie to print spine labels should contact us or Inmagic for instructions if they encounter a line wrapping issue.

Please be sure to contact us if you would like assistance with the upgrade and enabling of new features! We can go over the possibilities with you and then make all of the necessary database and configuration file changes. Upgrades are also a good time to make sure you are getting the best use possible from the software. We post various tips and suggestions on our Developer's Blog or you can take a look at some of the options on our Genie demo site.

Ontario Tobacco Research Unit (OTRU) launches new web interface with RefWorks link

RefWorks is an online research management, writing and collaboration tool. It is a popular service that allows users to gather data from all sorts of sources into one web based subscription account and it produces nice-looking bibliographies. How good is that? Why would anyone want to give that up? Well, who says that you have to. How about having the best of that world as well as a fully searchable, web-based catalogue nicely integrated into your website?
The Ontario Tobacco Research Unit wanted just that. They came to Andornot with a request to take their catalogue records out of RefWorks, migrate them over to DB/TextWorks, and put them on the web using WebPublisher PRO. Plus they wanted to provide users with the ability to select records in the database and Email them, Save to a file, Print the list or best yet, add them to their own personal RefWorks account.

Andornot worked with RefWorks Support to determine the format that was required to import records into RefWorks and added this function to our Email Save and Print WebPublisher PRO add-on.

The OTRU librarian, Diane Van Abbe, didn’t stop there, she also wanted a link on the Quick search page to the New Additions in her catalogue and she wanted the ability to highlight Canadian materials. She got that too.

Diane says, "Having our library catalogue on the web has been one of my goals for some time now. As part of an academic community, providing the ability for our researchers to save to RefWorks is a real bonus. It is great to be able to provide extra service to our users with this feature."

Andornot was recently involved with two events in association with the University of British Columbia School of Library, Archival and Information Studies.

In early February, Denise Bonin and Kathy Bryce gave our annual introductory training workshop on Inmagic DB/TextWorks organized by the SLA chapter at SLAIS, and last week Peter Tyrrell participated in the SLAIS Colloquium Series with a presentation on "Adventures in web consulting". We also plan to participate in the SLAIS Career Expo on March 20th.

Inmagic named one of the 100 Companies That Matter in Knowledge Management by KMWorld

Inmagic Partner's Meeting - Andornot #1 for total sales

Andornot was delighted to be recognized at the Inmagic Partner's Meeting last week with an award for achieving the highest total sales of any dealership. The Partner Meeting was an intense, exciting week as dealers from the US, Canada, Great Britain, Australia, New Zealand, South Africa and Spain gathered for presentations and training sessions. Road maps for the various upcoming Inmagic product releases were reviewed, plus of course there were discussions around pricing in recessionary times. The good news is that some promotional offers are still available, but the bad news for Canadians is that prices have been adjusted upwards to compensate for the loonie's drop in value against the US dollar. However, the special offers plus credits for existing products still provide some very good deals, so be sure to contact us for a quote!

The last few days were spent in training on the latest release of Inmagic® Presto. This is Inmagic's premium product for Social Knowledge Networks (SKN's). If you are not familiar with this term yet, take a moment to read through the article in the December 2008 issue of the SLA's Information Outlook written by Phil Green, CTO of Inmagic. Inc. Inmagic Presto, plus Presto for Social Libraries which works with the Inmagic® Library Suite, offer some interesting opportunities for bringing together knowledge management and social technologies in a secure, web-based environment. There has been considerable industry buzz around these two products. The January 22nd 2008 news release "Inmagic Announces Industry's First Social Library Solution" describes the concepts in more detail - "The social library is more than just a concept rooted in the promises of library 2.0 and social media," says Green. "It leverages both content and user knowledge in ways never before imagined. CNSA Archives Management Software Review

A review of Archives Management Software is now available from the Council of Nova Scotia Archives website. Andornot was contacted in the summer and supplied a trial version of Archives Online and Inmagic DB/TextWorks. We were also interviewed by phone and provided an overview of the software in a web based training session. CNSA also contacted clients using each software package for their feedback.

We are delighted that Archives Online was picked as one of the top three programs that stood out from the rest. "If a simple but fully featured and highly customizable program is needed, Archives Online is a good choice." Andornot also came out well in the Software Support and Sustainability section - "Of all of the vendors that were contacted for this project, Andornot was the most responsive and helpful."

Drug Policy Alliance Network Launches Genie

The Lindesmith Library at the Drug Policy Alliance (DPA), a progressive American organization that promotes policy alternatives to the war on drugs, has just launched an online library of over 15,000 records related to drug policy. Based on Inmagic Genie, the library integrates data from three previously separate databases, providing a single search-point for a wealth of specialized resources. The records include books, videos and journals, as well as numerous online articles and resources.

Andornot provided data conversion services to DPA, converting data from a DB/TextWorks library catalog textbase and a periodicals textbase, as well as a ColdFusion Content Management System, into the Genie Catalog, Serials, and Orders modules.

A number of Genie configuration options were utilized to tailor this Genie site to the specific requirements of DPA and their users.

We configured the Genie OPAC to have a header at the top that matches the header on other pages related to the DPA Network Lindesmith Library (see our developer blog post on how we did this).
We installed our Autoboolean search script for the first time in Genie. This feature allows users to enter any keywords in selected fields in any order, and have the AND operator (&) applied. This was particularly useful for DPA in the author field, where author names have sometimes been entered as "First Name Last Name" and other times as "Last Name, First Name."
The OPAC InfoCart was renamed to Record List to (see our developer blog post on how we did this).

Andornot Inmagic Genie demo launched

Andornot is a value added reseller and consultant for Inmagic Genie and to assist clients evaluate the product we have just launched a demo site.

The OPAC demo is available in both English and French. The English OPAC search and results screens have been changed from the default settings and configured with some of the options listed in Andornot's Genie Configuration Options (.pdf) document.

There is also a sample My Genie link showing the report that end users would see when they login. The demo Items textbase includes the full text of some sample Table of Contents. When a serial is checked in, a link to the PDF and if permitted, the full text, can be uploaded and made searchable through the Items textbase. The Items query screen is pre-populated to limit searches to just these records.

The Genie functions for library staff, such as Cataloging, Serials and Orders, are also available but require a login account. Kathy Bryce and Denise Bonin from Andornot Consulting will discuss the new Inmagic pricing model, which includes non-profit pricing, upgrade credits and end-of-the-year promotions, plus review the latest features in version of 11 of TextWorks and WebPublisher PRO, and Genie version 3.2. They will demonstrate the new Undo feature in the Form Designer, Query Logging, and other enhancements that you can make to your web interfaces.
