With the recent "Sunsetting" of the NCR 7780, a staple in remittance processing, many outsourcing decisions are being addressed. The cost of a new machine which is supported by service contracts is an expensive investment for a &lt;span&gt;declining&amp;nbsp;&lt;/span&gt;volume of payments.&lt;/p&gt;

&lt;p&gt;In August 2006, the American Society of Association Executives and the Center for Association Leadership concluded a four-year study that included NACo as one of the nine remarkable associations in the United States.&lt;/p&gt;
&lt;p&gt;Every year, a NACo member county hosts the event. This year our host will be &lt;a href="http://www.alleghenycounty.us/"&gt;&lt;b&gt;&lt;em&gt;Allegheny County, (Pittsburgh) Pennsylvania&lt;/em&gt;&lt;/b&gt;&lt;/a&gt;&lt;em&gt;.&lt;/em&gt; The event provides an opportunity for all county leaders and staff to learn, network and guide the direction of the association.&lt;/p&gt;
&lt;p&gt;The 2012 Annual Conference &amp;amp; Exposition will take place at the great &lt;a href="http://www.pittsburghcc.com/cc/"&gt;&lt;b&gt;David L. Lawrence Convention Center&lt;/b&gt;&lt;/a&gt;. This venue was the first convention center in the United States to receive the &lt;em&gt;Gold Leadership in Energy and Environmental Design (&lt;/em&gt;&lt;a href="http://www.usgbc.org/DisplayPage.aspx?CMSPageID=1988"&gt;&lt;b&gt;&lt;em&gt;LEED&lt;/em&gt;&lt;/b&gt;&lt;/a&gt;&lt;em&gt;)&lt;/em&gt; by the U.S. Green Building Council.&lt;/p&gt;
&lt;p&gt;The conference starts on Friday, July 13 with multiple meetings and summits taking place, and then continues on with several workshops covering a large number of topics. The conference concludes on Tuesday, July 17 with the Inaugural Reception at the Spirit of Pittsburgh Ballroom.&lt;/p&gt;
&lt;p&gt;In addition to the educational sessions, the event also includes a 150+ booth exhibition floor where exhibitors from around the country will be sharing cost saving tools, services and products with the attendees.&lt;/p&gt;

&lt;p style="padding-left: 30px;"&gt;&lt;b&gt;Cons&lt;/b&gt;: Requires an API, possibly a different one for each payment channel/vendor, can be costly.&lt;/p&gt;
&lt;h1&gt;Which one is the BEST option?&lt;/h1&gt;
&lt;p&gt;The best option varies from case to case. To make a good and sound decision between File Integration or Real Time Integration you should consider your customer&amp;rsquo;s demands. How fresh does your customers account information need to be? Do your customers demand quick updates? If this is your situation, your best option is Real Time Integration. The extra costs may be justified by the decrease in customer service complaints and customer satisfaction in general. However some markets have more flexibility on how quickly payments need be reflecting on account information. For these situations, file integration may be a cost-savings option.&lt;/p&gt;

&lt;p&gt;With this in mind, we wrote this guide to optimizing your multi-channel payment strategy. You can simultaneously increase your customer satisfaction, prevent and reduce your current delinquency rates and increase the efficiency of your accounting. Is this too good to be true?&lt;/p&gt;
&lt;h1&gt;How to Do it&lt;/h1&gt;
&lt;p&gt;The first step is to review the reason why it is so important to offer your customers a wide variety of payment channels and options to pay. Let&amp;rsquo;s start by segmenting your customers into three groups; based on their access to banking services. This segmentation will allow you to better predict your customers demand for each payment channel:&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;&lt;strong&gt;Unbanked&lt;/strong&gt; customers usually stick to &lt;strong&gt;Walk-in&lt;/strong&gt;&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Underbanked&lt;/strong&gt; customers also tend to stick to walk-in. However, underbanked households have been making a strong use of general purpose reloadable cards (GPR) which allows the receiving of direct deposits from employers and making payments &lt;strong&gt;online&lt;/strong&gt; or thru &lt;strong&gt;IVR&lt;/strong&gt;.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Banked&lt;/strong&gt; customers tend to spread through all possible payment channels: &lt;strong&gt;Online&lt;/strong&gt;, &lt;strong&gt;Walk-in&lt;/strong&gt;, &lt;strong&gt;Mail-in&lt;/strong&gt;, &lt;strong&gt;IVR&lt;/strong&gt; and &lt;strong&gt;Mobile&lt;/strong&gt;.&lt;/li&gt;
&lt;/ul&gt;
&lt;p&gt;Once you have unbanked and underbanked payment channels demand figured out, it leaves banked customers to work with. How do you define what channels should have more demand from your banked customers? &lt;br /&gt;The answer lies inside your own payment records: Delinquency History. Segment your banked customers based on their delinquency history: Never Late, Sometimes Late and Always Late. Now add a very special category: NSF Offenders.&lt;/p&gt;
&lt;h1&gt;Preparing Your CSRs&lt;/h1&gt;
&lt;p&gt;With your banked customers further segmented in these four sub-groups it&amp;rsquo;s time for a meeting with your Customer Service Representatives (CSR). Instruct and train your CSRs to promote the best payment channel and payment options to each of the sub-groups:&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;&lt;strong&gt;Never Late&lt;/strong&gt; &amp;ndash; Whatever payment option they prefer.&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Often Late &lt;/strong&gt;&amp;amp;&lt;strong&gt; Always Late&lt;/strong&gt;: Credit/debit cards and e-check &lt;strong&gt;&lt;a href="http://www.bill2pay.com/online-solution/" title="online payments" target="_self"&gt;online payments&lt;/a&gt;&lt;/strong&gt;, &lt;strong&gt;&lt;a href="http://www.bill2pay.com/ivr-solution/" title="IVR" target="_self"&gt;IVR&lt;/a&gt;&lt;/strong&gt; and &lt;strong&gt;&lt;a href="http://www.bill2pay.com/bill2txt/" title="mobile phone text payments" target="_self"&gt;mobile phone text payments&lt;/a&gt;&lt;/strong&gt; (with text reminders!). &lt;p&gt;Now it&amp;rsquo;s time for the cherry on the cake. Be sure your &lt;strong&gt;&lt;a href="http://www.bill2pay.com/software-integration/" title="payment provider" target="_self"&gt;payment provider&lt;/a&gt;&lt;/strong&gt; funnels all channels into the same back end system and integrates this back end system with your own billing system. Also be sure that you will receive your funds in one daily deposit (as opposed to reconciling several complex merchant statements). &lt;p&gt;I remember a conference that I was asked to speak at where the topic was bill presentment and bill payment. As I scanned the audience, virtually all of the listeners were in their mid 40s and early 50s. A simple question was asked:&lt;/p&gt;
&lt;p&gt;&lt;em&gt;&amp;nbsp;&amp;ldquo;&lt;strong&gt;How many companies utilize a mobile payment application or a mobile invoicing process?&lt;/strong&gt;&amp;rdquo; &lt;/em&gt;&lt;/p&gt;
&lt;p&gt;The answer was none. While this would not seem strange if this conference occurred in 1997, unfortunately this happened in 2007. While those of us that are a little mature in years may have grown up in the technology century, if you are anything like me, I am just now figuring out how to download music on my iPod.&lt;/p&gt;
&lt;h1&gt;The Facebook Effect&lt;/h1&gt;
&lt;p&gt;Utilities, insurance companies, municipalities don&amp;rsquo;t necessarily make the headlines when it comes to cutting edge billing and payment applications. However, this biller segment touches a larger cross section of paying Americans than most other entities. A public utility has a complete cross section of customers. From providing services for multi-million dollar properties to low income housing from recreational vehicle parks to major office parks, a public utility bills and accepts payments from countless customers.&lt;/p&gt;
&lt;p&gt;When your customer base is this broad, relying only on &lt;a href="http://www.bill2pay.com/payment-solutions-services/Lockbox-Services/" title="check" target="_self"&gt;check&lt;/a&gt;, &lt;a href="http://www.bill2pay.com/online-solution/" title="online" target="_self"&gt;online&lt;/a&gt;, and &lt;a href="http://www.bill2pay.com/pos-solution/" title="in person" target="_self"&gt;in person&lt;/a&gt; payments may not be meeting the needs of your customers. While a utility may offer online payments, which typically require an email address, would it surprise the reader to know that your customers who are under 30 don&amp;rsquo;t look at their emails more than once or twice a month? However, they look at and update their Facebook account 8 to 9 times per day.&lt;/p&gt;
&lt;h1&gt;How Do We Respond?&lt;/h1&gt;
&lt;p&gt;Does it make sense for your company to rely on your bank to direct your payment strategy? While banks do a great job of depositing funds, providing analysis, and core banking services, almost all major banks and community banks rely on a handful of core processors for ancillary services such as payment processing.&lt;/p&gt;
&lt;p&gt;Does your bank offer multiple payment options like a full suite of mobile payments, counter applications, third-party payment relationship, and &lt;a href="http://www.bill2pay.com/bill2txt/" title="text payments" target="_self"&gt;text payments&lt;/a&gt;?&amp;nbsp; Do they offer electronic billing via social media sites? Do they offer PayPal as a payment option? While these are a few questions that you may want to consider, the biggest question is:&lt;/p&gt;
&lt;h4&gt;&lt;em&gt;&lt;b&gt;Are you offering your customer the same cutting edge payment methodologies as you do with your cutting edge product or service?&lt;/b&gt;&lt;/em&gt;&lt;/h4&gt;

I'm hearing more and more that lockbox companies only want to process your clean transactions: &amp;nbsp;single coupons, single checks and balanced multiples. What about your check only transactions, checks with list transactions and multiples that don&amp;rsquo;t balance?&lt;/p&gt;
&lt;p&gt;The bottom line is that getting your exception items back generates extra costs: Costs from your staff&amp;rsquo;s time to process these items AND from the delay in posting the items. A really big problem that needs to be tackled.&lt;/p&gt;
&lt;p&gt;Fortunately, this problem is easier than tackling a horse (phew!). When you have a very good lockbox provider there is a very simple solution to this problem: &lt;strong&gt;business rules&lt;/strong&gt;.&lt;/p&gt;
&lt;p&gt;Give your Lockbox processor a set of rules designed specifically to resolve exception items and you could get up to 98% of all exception items processed instead of being returned to you. Here is a brief list of the most important Lockbox business rules to handle exceptions:&lt;/p&gt;
&lt;ul&gt;
&lt;ul&gt;
&lt;li&gt;Give your lockbox your account number structure so check only payments received meeting that criteria can be processed.&lt;/li&gt;
&lt;li&gt;Give your lockbox an account number lookup file so on checks only received without an account number, a search can be done against your lookup file to find the correct account number for posting.&lt;/li&gt;
&lt;li&gt;Request to force balance Out of Balance Multiples that are out of balance by a certain amount: Adjust the highest amount due stub for the out of balance amount.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Get your lockbox provider to process your Check with List transactions: Most lockbox companies should have the ability to process these transactions, by either creating dummy coupons for the accounts on the list and/or scanning the list and capturing the account number and payment amount using software.&lt;/li&gt;
&lt;/ul&gt;
&lt;/ul&gt;
&lt;p&gt;Be creative; think of business rules that can process 98 &amp;ndash; 99% of your exception items. If you provide exception rules to your lockbox processor, there is no reason to have all of your exception items returned to you. On the other hand if your Lockbox processor cannot process exceptions even after getting rules like these from you, it&amp;rsquo;s really time to start shopping for a &lt;strong&gt;&lt;a href="http://www.bill2pay.com/payment-solutions-services/Lockbox-Services/" title="better service" target="_self"&gt;better service&lt;/a&gt;&lt;/strong&gt;.&lt;/p&gt;

&lt;p&gt;However, there are two key points you should keep in mind to make sure that doing payment reconciliation in your remittance processing becomes a quick and easy task.&lt;/p&gt;
&lt;p&gt;On today&amp;rsquo;s article, we will go over the two key points that will make your life easier and stop the daily reconciliation nightmares.&lt;/p&gt;
&lt;h2&gt;Point #1: Capture and balance your totals at the transaction level, batch level and file level.&lt;/h2&gt;
&lt;p&gt;This will guarantee you will find any out of balance condition and resolve it timely and efficiently. If you are outsourcing, you should be receiving information from your processor at the transaction level, batch level and file level.&amp;nbsp; If you are processing in house, your remittance processing software should be providing you with this information.&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;Each transaction processed should be in balance:
&lt;ul&gt;
&lt;li&gt;Single payments &amp;ndash; amount paid to a coupon and the amount of the check must be equal&lt;/li&gt;
&lt;li&gt;Multiple payments &amp;ndash; amount paid on total coupons and amount of check must be equal&lt;/li&gt;
&lt;li&gt;Checks with List &amp;ndash; amount paid to total account numbers and amount of check must be equal&lt;/li&gt;
&lt;li&gt;Each batch should be in balance:
&lt;ul&gt;
&lt;li&gt;Total of batch of checks must equal total amount paid to coupons&lt;/li&gt;
&lt;li&gt;Each file should be in balance:
&lt;ul&gt;
&lt;li&gt;Your file total should be in balance to your total # of transactions and your total # of batches, which should also balance back to your bank deposit.&lt;/li&gt;
&lt;li&gt;If you are outsourcing your remittance processing, your &lt;strong&gt;&lt;a href="http://www.bill2pay.com/payment-solutions-services/paper-check-processing/" title="Lockbox Services" target="_self"&gt;Lockbox Services&lt;/a&gt;&lt;/strong&gt; provider should send you information related to your transaction level and batch level, balanced in the form of a report.&amp;nbsp; You should save these reports and use them if an out of balance condition occurs when the bank processes your deposit.&lt;/li&gt;

&lt;h2&gt;Point # 2: Make sure that you receive a daily notification - either by report or by email - on the same day your file is processed.&lt;/h2&gt;
&lt;p&gt;This notification should inform you of your daily file total, confirming that you received and processed the correct dollar amount of the file provided. On the following business day, you should be able to confirm that same dollar amount was deposited into your bank account.&amp;nbsp;&lt;/p&gt;

&lt;h2&gt;The Seven Step System to Increase Efficiency in Remittance Processing&lt;/h2&gt;
&lt;p style="padding-left: 30px;"&gt;&lt;strong&gt;1. Track and analyzing your performance data&lt;/strong&gt;. This is what this whole system is all about. So get ready to compile data and save a few minutes every day, every week and every month to go over your data. Here are the seven steps:Track and document your internal and external errors. Internal errors are the ones you catch and can correct before final posting. External errors are the ones you do not catch and end up affecting your customer.&lt;/p&gt;
&lt;p style="padding-left: 30px;"&gt;&lt;strong&gt;2. Review your error logs with your supervisors every month&lt;/strong&gt;. Look for clues of where you can you improve your process efficiency. You should be looking for the following:&lt;/p&gt;

&lt;ul&gt;
&lt;li&gt;Re-occurring errors - indicates process inefficiencies: review the process and/or provide additional training to your employees.&lt;/li&gt;
&lt;li&gt;Multiple one-time type errors &amp;ndash; Talk with your staff and give feedback on these errors, so they can try to avoid them in the future. Training may be needed.&lt;/li&gt;

Review individual employee stats on a daily basis&lt;/strong&gt;; give feedback regularly, daily if needed.&amp;nbsp; All employees have their ups and downs with all that is going on in life but you should see regular consistent stats from your employees on a daily basis.&lt;/p&gt;
&lt;p style="padding-left: 30px;"&gt;&lt;strong&gt;4. C&lt;strong&gt;heck your workflow for bottlenecks -&amp;nbsp;&lt;/strong&gt;&lt;/strong&gt;If the stats are inconsistent regularly for specific units, you have bottlenecks that&amp;nbsp;are causing your staff to wait for work, reducing your operation&amp;rsquo;s productivity.&lt;/p&gt;
&lt;p style="padding-left: 30px;"&gt;&lt;strong&gt;5. Review staff schedules regularly&lt;/strong&gt; &amp;ndash; sometimes productivity can be increased with simple schedule changes, especially if you are seeing that you have units waiting for work at certain times of the week or day.&lt;/p&gt;
&lt;p style="padding-left: 30px;"&gt;&lt;strong&gt;6. Review mail trays received regularly&lt;/strong&gt; &amp;ndash; with the changes going on with the US Post Office, you may see different trends in the mail you are receiving and you will need to adjust your staffing schedules accordingly.&lt;/p&gt;
&lt;p style="padding-left: 30px;"&gt;&lt;strong&gt;7. Track machine down time for all units&lt;/strong&gt;.&amp;nbsp; Having a machine down can definitely cause bottlenecks of work and affect your productivity.&amp;nbsp; It is important to track your down time due to equipment failures so you can stay on top of your maintenance vendor.&amp;nbsp; You want minimal down time!&lt;/p&gt;
&lt;p&gt;That&amp;rsquo;s it! It does require some commitment from you and your team but the results you will get at medium and long term are really worthy.
