When a communication flows into two opposite directions it is called &lt;b&gt;two-way communication&lt;/b&gt;. When emphasis is given to both downward and upward communication, two-way communication occurs. In &lt;u&gt;&lt;b&gt;two-way communication&lt;/b&gt;&lt;/u&gt;, the sender transmits a message to the receiver and in return, the receiver sends back his answer to the sender.&lt;br /&gt;
&lt;br /&gt;
&lt;b&gt;Keith Davis quoted&lt;/b&gt;, “In two way communication, the speaker sends a message and the receiver’s responses come back to the speaker.”&lt;br /&gt;
&lt;br /&gt;
The result is a developing play-by-play situation is which the speaker can adjust the nest message to fit the previous response of the receiver. &lt;b&gt;Two-way communication&lt;/b&gt; is made possible by feedback, because feedback assists to sending receiver’s responses to the sender.
Two-way communication may be both vertical and horizontal. When superiors send messages to the subordinates and in turn, the subordinates give responses to the superiors, it creates vertical&lt;b&gt; two-way communication&lt;/b&gt;. In other way when the colleagues of other departments communicate reciprocally to each other, it creates horizontal two-way communication.&lt;br /&gt;

Two-way communication uses communication to negotiate with the public, resolve conflict and promote mutual understanding and respect between the organization and its public's. It is also called “Scientific persuasion. “

1. &lt;b&gt;Descriptive or detail&lt;/b&gt;: As description feedback is more effective, it is more acceptable. Here the receiver can express his opinion to the sender/communicator. As a result, the communicator can understand the consequences of the communication.&lt;br /&gt;
&lt;br /&gt;
2. &lt;b&gt;Specific and clear&lt;/b&gt;: Feedback must be clear and specific. If responses are sent in an ordinary manner, it will not be effective. That’s why the receiver should clearly express his views to the sender.&lt;br /&gt;
&lt;br /&gt;
3. &lt;b&gt;Promptness or rapidity&lt;/b&gt;: Feedback should be given rapidly. If unnecessary delay occurs, the effectiveness of feedback decreases. That’s why the receiver of the message should give his feedback promptly.&lt;br /&gt;
&lt;br /&gt;
4. &lt;b&gt;Informality&lt;/b&gt;: Feedback may come from formal and informal ways. Particularly, informal feedback is encouraged in the organization. Informal feedback may be given promptly and accurately.&lt;br /&gt;

5.&lt;b&gt; Brevity&lt;/b&gt;: Feedback should be brief in nature. It must be simple, concise and complete. Any lengthy response may cause disturbance to the communication.&lt;br /&gt;

6. &lt;b&gt;Solicited&lt;/b&gt;: The communicator should solicit feedback from the communicate. If the sender of the message does not seek any response from the receiver it may be delayed.&lt;br /&gt;

7. &lt;b&gt;Completeness&lt;/b&gt;: Feedback ensures the proper understanding between sender and receiver which is essential for the completeness of the communication.&lt;br /&gt;

8. &lt;b&gt;Contextual/relevance&lt;/b&gt;: Feedback refers to receiver’s reaction to the sender regard to sender’s message. So, it should be relevance to the context. Irrelevant response may cause disturbance and bad impression regarding receiver.&lt;br /&gt;

There should be an open communication climate for exchanging views, that is employees should get opportunity to participate in the decision making process. If the communicator feel uneasy and fear to communicate with the receiver, he/she will not interest to communicate with the receiver.&lt;br /&gt;

2. &lt;u&gt;Pre-thinking and planning&lt;/u&gt;: Before communicating with the receiver, a proper thinking and plan should be prepared. Unplanned communication cannot be effective. Relevant information should be collected from different sources and an appropriate plan should be developed.&lt;br /&gt;

3. &lt;u&gt;Specific objectives&lt;/u&gt;: &lt;b&gt;Qualities of effective communication&lt;/b&gt; Every work of human being should be specific objective oriented. Aimless work or communication cannot bear any fruitful result. The language or words of communication should reflect the intention of the communicator.  &lt;b&gt;Communication process&lt;/b&gt; is the sum total of communicational steps. It includes those steps through which communication work is done. The success of communication depends on the following &lt;b&gt;elements or features of communication process&lt;/b&gt;:&lt;br /&gt;

1. &lt;u&gt;Sender/communicator&lt;/u&gt;: Sender of communicator is the person/parties who send the message or idea to the receiver. Sender is the initiator of the message. The sander also treated as source.&lt;br /&gt;
&lt;br /&gt;
2. &lt;u&gt;Encoding&lt;/u&gt;: Encoding is the act of putting an idea or a thought of the message into a code or symbolic form. A code is a systematic arrangement or comprehensive collection of symbols, letters, of words that have arbitrary meanings and are used for communication. Encoding means converting or translating the idea into a perceivable form that can be communicated to others. It is also termed as mental wrapping of the communication.&lt;br /&gt;
&lt;br /&gt;
3. &lt;u&gt;Message&lt;/u&gt;: Message is the set of symbols that the sender transmits to the receiver through the media. It is the content of the interaction.
4. Media or channel: Media or Channel is the means or ways of transmitting the messages to the receiver. The media of oral communication are face to face conversation, telephone, mobile, conference, meetings etc. the media of written communication are newspaper, letter, report, memo, mail etc.&lt;br /&gt;
&lt;br /&gt;
5. &lt;u&gt;Receiver&lt;/u&gt;: Receiver or communicate is the person/parties who receive the message or idea from the sender. If the receiver does not receive any message, there is no communication.&lt;br /&gt;
&lt;br /&gt;
6. &lt;u&gt;Decoding&lt;/u&gt;: Decoding is the receiver’s interpretation of the sender’s message. Decoding is the process by which the receiver assigns meaning to the symbols encoded by the sender.&lt;br /&gt;

7. &lt;u&gt;Response&lt;/u&gt;: After decoding the receiver accept or reject the message. It is the reaction of the receiver of the message known as response. A message can create many kinds of responses into the receiver depending on the context and the nature of message. The response may be immediate, deferred, favorable or unfavorable. When the receiver accepts or response the message in a favorable or unfavorable. 1. &lt;b&gt;Developing idea&lt;/b&gt;: The sender or communicator develops an idea which to be send. It is also known as planning stage of the communication process. After developing an idea, the communicator determines the objectives or subject matter of communication.&lt;br /&gt;

&amp;nbsp;2.&lt;b&gt; Encoding&lt;/b&gt;: Encoding is the act of putting an idea or thought of the message into a code or into a symbolic form. A code is a systematic arrangement or comprehensive collection of symbols, letters or words that have arbitrary meanings and are used for communication. Encoding means converting or translating the idea into a perceivable form that can be communicated to others. It is also termed as mental wrapping of the communication.&lt;br /&gt;

6. &lt;b&gt;Decoding&lt;/b&gt;: Decoding is the receiver’s interpretation of the sender’s message. Decoding is the process by which the receiver assigns meaning to the symbols encoded by the sender.&lt;br /&gt;

7. &lt;b&gt;Response&lt;/b&gt;: After decoding the receiver accept or reject the message. It is the reaction of the receiver of the message knows as response. A message can create many kinds of responses into the receiver depending on the context and the nature of message. The response may be immediate, deferred, favorable or unfavorable. When the receiver accepts or response the message in a favorable way the processes of communication continue.&lt;br /&gt;

Improved communication is the key to managerial success. To ensure better communication, certain principles are to be followed. Principles are the standards which guides the communicational activities. The basic&lt;u&gt;&lt;i&gt; principles of communication&lt;/i&gt;&lt;/u&gt; are discussed below:&lt;br /&gt;
&lt;br /&gt;
1. &lt;b&gt;Clarity principles of communication&lt;/b&gt;: The message prepared for communication should be clear. Clarity means getting the meaning of messages accurately from the head of the sender into head of the receiver. An ambiguous message will not be able to make effective communication. When the subject matter is clearly presented communication becomes effective.&lt;br /&gt;
&lt;br /&gt;
2. &lt;b&gt;Completeness principle of communication&lt;/b&gt;: The subject matter of communication should be complete. It should not be partial or incomplete message. Complete message contains all necessary facts and information that the readers or receivers need to understand. The receiver should get a clear idea about the subject matter. Incomplete message create confusion or misinterpret or irritated the readers or receivers.&lt;br /&gt;
&lt;br /&gt;
3. &lt;b&gt;Correctness principle of communication&lt;/b&gt;: The facts and information provided in the message should be accurate and correct languages. Any wrong information in the message may create confusions. As a result, communication failure may occur.&lt;br /&gt;
&lt;br /&gt;
4. &lt;b&gt;Conciseness principle of communication&lt;/b&gt;: A message should be as short as possible. Concise means saying to sender in a fewest possible words. It saves time and expanse for both sender and receiver. The reader may feel disturbed in receiving a long message. Moreover, business executives do not have much time to go through a long message. But the necessary information should be given in the message.&lt;br /&gt;

5. &lt;b&gt;Concreteness principle of communication&lt;/b&gt;: concrete means exactness, specific, definite or vivid rather than vaguer or general. Business communication use words that form sharp and clear manning in readers mind.&lt;br /&gt;

6. &lt;b&gt;Consideration principle of communication&lt;/b&gt;: consideration means that the sender prepares every message keeping the receiver in mind. Here the sender should consider the problems, desire, circumstances, emotion and probable reactions of the reader or receiver.&lt;br /&gt;
&lt;br /&gt;
7. &lt;b&gt;Courtesy principle of communication&lt;/b&gt;: Courtesy means polite behavior or good manner. It involves being aware of the perspective of others and their feelings. Writing or speaking in conversational tone, emphasizes on readers viewpoint, and carefully selecting positive words which will generate courtesy.&lt;br /&gt;
&lt;br /&gt;
8. &lt;b&gt;Objective oriented principle of communication&lt;/b&gt;: Every work of human being should be specific objective oriented. Aimless work or communication cannot bear any fruitful result. The language or words of communication should reflect the intention of the communicator, so, the communication should aware of the objective of communication clearly.&lt;br /&gt;

9. &lt;b&gt;Consistency principle of communication&lt;/b&gt;: Communication should be purposeful and related to the particular subject one after another. Conflicting or unrelated message can affect the communication process.&lt;br /&gt;

10. &lt;b&gt;Consciousness principle of communication&lt;/b&gt;: Another principle of communication is the consciousness of the subject matter of message. But it should be complete, relevant and informational. When messages are presented in a concise manner, it becomes effective.&lt;br /&gt;

11. &lt;b&gt;Simplicity principle of communication&lt;/b&gt;: Subject matter of communication should be simple and understandable. This should be presented in a simple way. &lt;li&gt;Use simple words. Example: use ‘home’ instead of ‘domicile’, use ‘show’ instead of ‘demonstrate’ etc.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Use single words. Example: use ‘now’ instead of ‘at the present time’.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Use short sentences and paragraphs. Try to keep average sentence length within 17 to 20 words.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Use concrete expression. Example: use ‘John will come on 5th June’ instead of ‘John will come on soon.’&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Prefer active construction. Example: use ‘John eats orange’ instead of ‘Orange is eaten by John.’&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Avoid jargon words. A jargon word refers to profession, trade or field of study related words. Example: use describe instead of ‘delineate’, use speak instead of ‘verbalize’ etc.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Avoid double entry. Example: use '7 a.m.' instead of '7 a.m. in the morning.&amp;nbsp; &lt;/li&gt;

&lt;li&gt;Sending the message in correct style.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Check accuracy of figures, fact and words before transmitting them.&amp;nbsp;&lt;/li&gt;
&lt;/ul&gt;
4. &lt;u&gt;&lt;b&gt;Principle of conciseness&lt;/b&gt;&lt;/u&gt;: A message should be as short as possible. Concise means saying to sender in a fewest possible words. 6. &lt;u&gt;&lt;b&gt;Principle of Consideration&lt;/b&gt;&lt;/u&gt;: Consideration means that the sender prepares every message keeping the receiver in mind. Here the sender should consider the problems, desire, circumstances, emotion, and probable reaction of the reader or receiver. The following guideline should in consideration principle:&lt;br /&gt;
&lt;ul style="text-align: left;"&gt;
&lt;li&gt;Focus on ‘You’ instead of ‘I’ and ‘We’. Example: use ‘you will surely appreciate new discount policy’ instead of ‘I am sure that new discount policy will be attractive to you’, Thank you for your assurance to got you sufficient information’ instead of ‘I was happy to hear that my letter provided you sufficient information’ etc.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Avoid insensitive ‘You’. Example: use ‘The envelope we receive did not have a cheque in it’ instead of ‘you failed to enclose your cheque in the envelop’.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Emphasize positive and pleasant facts.&amp;nbsp;&lt;/li&gt;
&lt;li&gt;Applying integrity and ethics.&amp;nbsp;&lt;/li&gt;
&lt;/ul&gt;
7. &lt;u&gt;&lt;b&gt;Principle of courtesy&lt;/b&gt;&lt;/u&gt;: Courtesy means polite behavior or good manner. It involves being aware of the perspective of others and their feelings. &lt;li&gt;Answer the letter promptly&lt;/li&gt;

&lt;li&gt;Single out the reader by name. Example: ‘As you agree, Mr. John’&lt;/li&gt;
&lt;li&gt;Avoid anger. Example: we will not tolerate the condition.&lt;/li&gt;
&lt;li&gt;Avoid irritate expression. Example: ‘You failed’, ‘you forgot’, ‘you claim’ etc.&lt;/li&gt;
&lt;li&gt;Use expression that shows respect.&lt;/li&gt;
&lt;li&gt;Avoid discriminatory expression. Example: use ‘Chairperson’ instead of ‘chairman’, use ‘workers/employees’ instead of ‘Manpower’ etc.&lt;/li&gt;
