How to estimate a project

You will want to start first by gathering all of your tasks to be done and putting them into larger buckets so that you can better organize the project. These buckets could be timeline based, grouping tasks by the phase that they will happen in the project. Or they could be people based, grouping tasks by who or what team is going to do them. There are a number of ways to group things, but that helps to make a project estimate easier to read.

As you are adding in all of your tasks make sure to define them well. You will want to be clear about what this task is and how it will be done. Break larger tasks down in the smaller pieces if you can! If possible add notes to make things even more clear for the readers.

Finally you will want to assign people (or internal roles) to each task. Define exactly who will be doing the work and how long it will take them. Be sure to think about everyone involved! It’s easy to think “only developers will be doing this task”, but that often doesn’t consider the managers and others who will review the work and give feedback. Try not to make up time estimates for roles that you don’t understand, or if you do run your estimates by those who will be doing the work. The more feedback you get on your estimate the more accuracy you will have!

It can help your estimate to be more accurate by thinking in ranges of time rather than exact estimates. For example a task might take the designer 4-8 hours. This shows you a low and a high value and gives you some room for error. Another way to ensure greater accuracy is to use a 3 point estimation method where you estimate the low (optimistic), middle (most likely), and high (pessimistic). Using the PERT formula you can arrive at an estimate that you can feel more comfortable with.

Software for Project Estimation

There are a number of invoicing tools that have the ability to first create an estimate. These can be things like Xero, Freshbooks, Harvest, and others. These allow you to add the tasks like we mentioned, but may not allow for uncertainly because they don’t offer the ability to estimate in ranges like we talked about above. An estimate is not just an invoice by a different name.

We recommend an estimation tool like Simple Estimate that allows for uncertainty in your budgeting. It allows you to do One, Two, or Three point estimating. In addition you can add Markup percentages on top of your estimate to allow for some wiggle room. It allows you to export your estimates in a number of useful ways like PDFs, web shares, or Excel files. You can invite your whole team into the tool and work with them to create your ideal project estimation process.

Votes Out is a free version that is similar to Quiplash

Recently I discovered a free online version called Votes Out. It doesn’t have all of the voiceovers and animation that the paid game has, but as a group those things are usually just annoying anyway. It works really well with just phones, so it doesn’t require all of the TV set up that Quiplash usually requires.

The game has great questions that get our group laughing super hard. As with most games like this, your experience depends on the group that you play it with. The game works well with 3-12 players and only takes like 15 minutes. Give it a play with a few friends!

The idea behind Groundwork1 is to make corporate training as easy as reading a newsletter. It removes a lot of the annoying frustrations for employees, and replaces them with simple tasks that are delivered in one email, or a series of emails. Each email can contain a variety of different tasks to complete including watching videos, downloading files, and marking items as completed. Even when the user does have to visit a website, there is never any need to log in!

E-learning is a big topic as a number of companies are having to figure out how to manage human resources training while employees are still remote and staff training needs to happen in remote environments. This tool could also work well in a non-profit environment where you have train a lot of volunteers or you just have a lot of turnover with volunteers on a regular basis. It makes sending out and automatically following up on the training really easy.

It feels like all HR and employee trainers should know about this app. It looks easy to get started by creating a simple series of emails and enrolling your employees into each training module that they need to complete.

You can easily start additional counters and keep track of multiple things at the same time. It automatically saves your tally counters to your web browser, but if you really want, it has the ability to save to the cloud for free. It also has some nice paid features if you want it to work for multiple users. You can get real time syncing between multiple devices, history of when and who edited your counters, and exporting features, which is handy.

So if you need an online tally counter website, I think this is worth checking out.

The other option is to use something like an email signature generator. These are usually online tools that will generate that HTML code for you. The advantage is that these tools are tried and tested and will have already worked out the kinks in their templates so that your signature should look consistent across all email clients.

Many of them allow you to simply choose a template, add in your information, and copy your signature into your email client of choice. You don’t have to know anything about HTML or CSS or the technicalities behind the scenes.

Signature.email’s generator is a newer option that is gaining popularity. It is free to use for individuals so that makes it super helpful. It allows for a much greater degree of customization than most of the other services that we tested. You can start with one of their templates, but the sky is the limit after that. You can drag and drop in new fields like names, addresses, phone numbers, contact information, even generic fields like Text, Images, Profile Photos, Columns and Boxes. They will even host your images for free. Its interface might feel familiar if you are a designer or developer who has used editing tools before, but anyone should be able to figure it out with a bit of practice.

If you are a company or organization looking for a way to share your email signature internally, then this has a cool feature where you can create a sharing link to pass the signature around to staff. All they need to do is visit the link, fill in their personal information and copy the signature into their email client. This makes it super nice to pass around the signature, making sure some elements like the logo or office number don’t get changed, but giving them the control to change what they need to.

Hubspot Email Signature Generator

Hubspot’s option is a more basic free one that gives you a choice between six different templates. It is nicely designed and easy to use. You’ll start with a four step process where you choose a template, enter your information, choose some colors, and finally add some images. Once you have chosen a template you can enter in your personal information and do some simple customizations. It is easy to use, but a little limiting of your options for what you can create with it. For example, they offer the ability to link to four different social services, but no more than that. You’ll also need to host your own images on another server, as this particular one won’t help with that.

If you just need a basic HTML signature, then this is a nice option for you. It isn’t geared at companies or organizations that need to set a standard for their email signature.

Honeybook Email Signature

This is another nice one that offers some creative templates and claims you can finish your email signature in 30 seconds (I hope you can type fast!) You start by entering your personal and company information into the boxes, and then you can add some social information if you choose to, then you can choose a template if you would like to customize it and see what you like best. The advantage here is the simplicity of entering the information, but similar to the Hubspot offering we mention above, it doesn’t allow for a lot of customization. If you need to enter multiple things, or rearrange them a bit, you can’t do that.

If you just need a signature as fast as possible, then this might be the option for you!

This one has the coolest URL for sure, though I’m not exactly sure how I would pronounce it out loud. This one is similar where it gives you a number of different fields to add in your information. (Lots of social services available here!) But it doesn’t really have the same idea of templates as the others. It basically includes the ability to change the fonts, colors, and sizes of things, but you can’t really move much around within the signature itself. You can upload images here, which is nice. They will also save your signature for free for 30 days, but you need to pay to keep your signature for more than 30 days.

Its nice that you can upload images and keep your signature around here, but the layout options are not as nice.

NewOldStamp

This is a professional offering with a lot of features, but it certainly comes at a price. If you are creating a signature for a company, this is one of the offerings that allows you to create signatures for each member of your team. They offer a number of templates and designs to use. They also offer the ability to hook it up to your email provider so that you can automatically update everyone on the team’s signature without them even being involved. That functionality comes at a hefty price though, each employee signature tends to cost a bit more than a dollar a month.

If you need the ability to manage email signatures for your team remotely without their involvement and update them automatically, then this is probably the right option for you.

As you can see there are a lot of great options out there for email signature generators. While they all accomplish the same thing each one has its own way of doing things, and thats good because everyone needs something a little different.
