Tips to manage your files better

Use these tips to help with organizing your computer files.

Use Documents. For many reasons, it's smart to take advantage of the Documents feature, which is called Documents in Windows 7 and in Windows Vista and is called My Documents in Windows XP. To open Documents in Windows 7 and Vista, click Start, and then click Documents to discover an easy way to store your personal documents.

In Windows 7, the Documents feature is actually a virtual library. By default, the Documents library includes your My Documents or Documents folder and the Public Documents folder. You can customize the Documents library (in addition to the Music, Pictures, and Videos libraries that are also included by default) in Windows 7 to group files and folders from any location on your computer—without actually moving them. Or you can build your own libraries to easily organize your files. Learn more about working with libraries.

Libraries are a flexible way to organize your files in Windows 7 without moving them into one location.
By using Libraries in Windows 7, Documents in Windows Vista, and My Documents in Windows XP, you can more easily:
- Find files. Windows provides easy access to the Documents folder (and its subfolders) in many places, including the Start menu, the task pane in Windows Explorer, and common File Open and File Save dialog boxes, among other places. Read about the search feature in Windows 7, or read these tips for finding files in Windows Vista and Windows XP.
- Back up files. You should back up files regularly. Documents and libraries can help make backups a snap.
- Keep files separate from programs. By separating document files and program files you reduce the risk of accidentally deleting your documents when you install or upgrade programs. To move files or folders from one location to another, right-click the file or folder name in the existing location and then click Cut. Navigate to the new location, and then click Paste. You can also drag a file or folder from one location to another. To display two folder windows simultaneously in Windows 7, hold down the Shift key when you click to open the second window.
Adopt consistent methods for file and folder naming. When learning how to manage files and folders, it is important that you develop a naming scheme for the kinds of files you create most often and then stick to it. To change an existing file or folder name, right-click the name in the folder structure. Click Rename, and then type the new name.
Keep names short. Even though you can use long file names in Windows, you should not necessarily do so. Long file names can be harder to read.

Let your folder structure do some of the naming. For example, rather than creating a file called Great American Novel Chapter One First Effort, you can build a structure like this:

The folder structure can help you avoid using lengthy file names.
Separate ongoing and completed work. To keep the Documents folder from becoming too unwieldy, use it only for files you're actively working on. As a result, you can reduce the number of files you need to search through and the amount of data you need to back up. Every month or so, move the files you're no longer working on to a different folder or location, such as a folder on your desktop, a special archive folder, a flash drive, an external hard disk drive, or even a CD.
Store like with like. Restricting folders to a single document type (or predominantly one type) makes it easier for you to find files. For example, with all of your graphics in a single folder—or in a single library in Windows 7—it's easy to use the slide show feature in Windows Explorer to find the right picture for your newsletter. You can also use libraries in Windows 7 to group files together for easier searching without moving them into the same place or use the Arrange by command to sort files by criteria, such as author, date modified, and type. These criteria can change based on the file type (documents have different Arrange by criteria than photos, for example).
Avoid large folder structures. If you need to put so many subfolders in a folder that you can't see all of them at a glance, consider creating an alphabetic menu.

Alphabetized folders can help you stay organized.
Use shortcuts and shortcut links instead of multiple copies. If you need to get to the same file from multiple locations, don't create copies of the file. Create shortcuts to it instead. Shortcuts are links to files or programs and are represented by icons with an arrow in the lower-left corner. To create a shortcut, right-click the file and then click Create Shortcut. You can drag the shortcut to other locations. Microsoft Office 2010 includes some built-in shortcuts with the new Backstage view. To see Backstage view, open an Office file and then click the File tab. In Backstage view, click the Recent tab for a list of links to your recent documents. The Recent tab even includes a Recover Unsaved Documents option. In Backstage view, you can create, save, and send documents, inspect documents for hidden metadata or personal information, set options, and more.
Quickly get to the items you use every day. Jump Lists, a fun new feature in Windows 7, are lists of recently opened items, such as files, folders, or websites that are organized by the program that you use to open them. You can use a Jump List to open items, and you can even pin favorites to a Jump List. To see a Jump List for a particular program, just right-click the program button on the taskbar.
Consider storing documents online. You can also keep documents your company’s Microsoft SharePoint 2010 site or on Windows Live SkyDrive so that you can easily access them from outside the office, share them, and edit them online by using Office Web Apps.

1. Use abbreviations. Keep file names short by using common abbreviations, such as "MTG" for meeting or "ACTG" for accounting. This makes the file names more descriptive, and you can more easily find files through the Search function, if necessary.
2. Use thumbnails or icons. Change the view to display the files as icons in Windows 7 or Windows Vista or search through folders in the Thumbnail view in Windows XP. To view icons in Windows 7 or Windows Vista, click the Change your view button (Windows 7) or the Views button (Windows Vista) in the toolbar, and then select the icons size you want to use. To view icons as thumbnails or icons in Windows XP, click the Views button in the toolbar, and then click Thumbnail or Icons.

  You can change the default appearance of your folders so that they always appear in the view you want them to. You can change other folder options, too:

3. Use common names. To make it easier to search for documents, name your files and folders with easily found names, such as model numbers, project names, or the project lead in the title.
4. Don't save unnecessary files. Be selective about the files you keep. You probably don't need to keep them all. With email, for example, you don’t need to keep everything you receive.
5. Use Recent Items. To find a file you just worked on, use Recent Items (called My Recent Documents in Windows XP) in the Start menu.
  
  In previous versions of the Windows operating system, Recent Items showed a list of your recently used files on the right side of the Start menu. You could open a file from this list by clicking it. In Windows 7, Recent Items no longer appears on the Start menu by default, but you can add it. To add Recent Items to the Start menu:
  - Right-click the taskbar, and then click Properties to open the Taskbar and Start Menu Properties dialog box.
  - Click the Start Menu tab. Under Privacy, select the Store and display recently opened items in the Start menu and the taskbar check box.
  - Click Customize. In the Customize Start Menu dialog box, scroll through the list of options to find the Recent Items check box, select it, click OK, and then click OK again.
6. Put Documents on the desktop. Put a shortcut to Documents on the desktop: Right-click the Documents folder, and then click Create Shortcut. You can save several clicks of the mouse and get where you want to be sooner.
7. Organize files by dates. Use a date in the document name. For example, jeb051810 could mean Jeb’s file from May 18, 2010. If you want to be able to sort primarily by date, you could use the yyyymmdd format, for example, and name the file 20100518jeb.
8. Color-code your folders. Use a third-party program which allows you to "color" certain folders in Documents. This helps you find your documents even more quickly and is especially useful with folders that you use every day.

But there are things you can do to browse faster—even when your Internet connection is working slowly.
This article will show you how to increase your productivity when your connection is slow. Many of these steps are also good tips for how to increase the speed of browsing and of sending and receiving email.

1. Send multiple files faster by compressing them

If you're sending multiple files—for example, several files related to a single project—you can reduce their combined size by using a compression utility. Compressing your files can dramatically reduce the time needed to send files online, and compressed files don't take up as much space in your (or the recipient's) email Inbox. WinZip is one of the more common compression tools.

2. Increase browsing speed by turning off graphics in Windows Internet Explorer

Graphics are important to web pages, but they also take time to download if you're online. You can turn them off to speed your Internet browsing.

3. Send email using Contact Groups (Distribution Lists)

If you're sending an email to multiple people, create a Contact Group (previously known as a Distribution List) instead of listing each recipient separately. Messages are sent more quickly and efficiently when you're using a Contact Group. Your company may have established procedures for creating mailing lists.

4. Reduce email size with simple email signatures

Email signatures leave a professional stamp on your messages, but elaborate signatures that include multiple images take up a lot of unnecessary storage space in each email. Ultimately, they can slow down the time needed to send each message. Instead, create distinctive text signatures combining fonts, type sizes, and colors to make your email signature smaller and quicker to transmit and receive.

5. Work offline using Cached Exchange Mode in Outlook

Even if you lose your network connection, you can continue working in Microsoft Outlook if you're using Cached Exchange Mode. With Cached Exchange Mode, a copy of your mailbox is stored on your computer. This copy provides quick access to your data and is frequently updated with the mail server. If you work offline, whether by choice or due to a connection problem, your data is still available to you instantly wherever you are. Cached Exchange Mode does require you to work with a Microsoft Exchange Server email account.

6. Browse offline by saving web pages on your computer

If you use or reference a specific webpage often, save it locally to your computer. If you lose your connection or are working on a slow connection, you'll still be able to read and find the information you need.

7. Open webpages faster by increasing your cache

If you increase the size of the temporary Internet files cache in Internet Explorer, your computer won't have to work so hard when you revisit webpages. Many of the images will already be downloaded on your computer, decreasing the amount of time it takes to open a page.

Ping command helps you to determine whether a particular network resource is responding on a network or not. It allows you to ping a computer or other network resource via an IP address.You need to block ping when you don’t want to communicate with other network resources.

The solution to the problem follow the instructions to create a policy to block in or out 'ping access' to and from machines:

Step 01: Open the ‘CA HIPS’ management console.

Step 02: Navigate to ‘Main > Rules > Firewall Rules’, and click on ‘Add New’.

Step 03: Enter the name & description on the page, and click ‘Next’ to continue.

Step 04: Select the 'Application' specific options, and click ‘Next’ to continue.

Step 05: Select ‘ICMP In/Out’, and click ‘Next’ to continue.

Step 06: Select 'All IP addresses' for both Local IP address and Remote IP address, and click ‘Next’ to continue.

Step 07: Select the time frame you want this Ping policy to apply to, and click ‘Next’ to continue.

Step 08: Select the ‘Access & Audit’ method, and click ‘Next’ to continue.

Step 09: Click ‘Finish’.

Step 10: Navigate to ‘Main > Rules Sets’, and click ‘Add New’.

Step 11: Enter the required information and under 'Type', select 'Firewall Rules' and click 'OK'.

Step 12: Click on the '0'.

Step 13: Click ‘Firewall Rules’, and click ‘Add Existing’.

Step 14: All exiting firewall rules will be displayed.

Step 15: Select the one created for blocking ping access, and click ‘Add’.

Step 16: This will display the rule under Firewall Rules.

To restore computer in safe mode, follow these steps:-

Log on to Windows as Administrator.

Click Start, point to All Programs, point to Accessories, point to System Tools, and then click System Restore. System Restore starts.

On the Welcome to System Restore page, click Restore my computer to an earlier time (if it is not already selected), and then click Next.

On the Select a Restore Point page, click the most recent system restore point in the On this list, click a restore point list, and then click Next.

Note A System Restore message may appear that lists configuration changes that System Restore will make. Click OK.

Using CMD to Remove Autorun.inf Virus from the System & Removable Drives

* Method One

Open command line (CMD) and write the following:

del /a:rhs [driveletter]:autorun.inf

Simply Replace [driveletter] with your drive. If the virus is on the D drive the commad will be

del /a:rhs D:autorun.inf

Restart the computer & Done.

* Second Method

Genreally when you refresh the windows explorer view a bounded virus process recreates this file. This file is attached to many events of windows explorer including OPEN, REFRESH, etc.

You must close opened explorer windows.

1. Open up a command prompt (i.e. cmd.exe) >> to load it go to Run, type cmd, enter.

2. Now to remove virus’s attributes (in order to delete it type following line by line and execute them pressing enter.

F:attrib -s -r -h *.*

If there are any malicious EXE files those are now visible so if unnecessary delete them too.

Nowadays, its very common to hear about various incidents of Gmail hacking by Gmail phisher. Today, online privacy is maintained only if the user is aware of various hacks used to hack email accounts. 2. Do not provide sensitive information :

Yes, this is the main thing you have to remember. Unless and until, you know the person or institute, do not give your sensitive information like userids , passwords, bank account numbers as a reply to any email. In fact, 90% emails demanding such information are meant for hacking..remember !

3. Suspicious Filters :

Check whether there are any suspicious filters not created by you. For checking ur email filters, go to Settings-> Filters. If you find any such suspicious filter not created by you, delete it urgently.

4. Great offers, ads, winners :

Generally, Gmail users are deceived by emails which contain great offers, ads or declaring that u are lucky winner and you should provide listed query information to receive your cash prize. Never click or provide any information for such claiming emails.

5. Disable Forwarding and POP/IMAP :

To disable forwarding and POP/IMAP, go to Settings-> Forwarding and POP/IMAP and disable forwarding and POP/IMAP.

6. The most important :

The most important precaution which one must follow is “do not click on the link” provided in the email without knowing to which page the link will take you. I have added my personal experience of phishing and the method to determine the link target, where i received a paypal phisher, in my article Paypal phisher to hack Paypal account. One more thing, always open link given in email by typing address of site in new tab/window.

Thus, if you will follow these guidelines, i bet ur Gmail account will never be hacked by a phisher. Just remember the guidelines and prevent Gmail account from being hacked by hackers.

If your computer shuts down or crashes you might find yourself in a annoying situation where the computer continuously reboots in a loop while attempting to start Windows.

This may be caused by the registry becoming corrupt as a result of an application writing to the registry at the time of a system crash. The next time the computer boots up and tries to read the registry the system fails and has to restart.

How to delete protected files and folders in Windows Vista ?

Step 1

The first step is to change ownership on all the files and subfolders in the folder you want to delete. Right click the folder, select properties. Deselect read only, and then select the security tab. In the Security tab, select "advanced". Go to the "owner" tab, and select whichever of your personae you are logged in as. I was logged in as "Karen/Administrator" and this worked well for me. Select "Edit". In the new window click "Replace owner on subcontainers and objects" and then click apply.

Step 2

Don't forget the check box at the bottom and don't be alarmed by error messages saying you must skip or ignore files. Next, you need to redefine the permissions available to the new owner identity. Go to the Permissions tab. Click "Edit". You will get another window, where you will again select the user you want to change permissions for. Find your user identity on the list that appears, and choose the one that says "this folder, subfolders and files" or something to that effect. It varies. Click "Include inheritable permissions" and "Replace all inheritable permissions on all descendents", then select "Edit" (again) and in the permissions window that shows up, click everything in the allow column (clicking full control should do this for you). Hit O.K., the window will close, then hit "apply" in the next window. Hit O.K. to close the advanced security settings window.

Step 3

At this point you should be back to the first properties window. Select Edit and, in the new window, select your active user, and click Full control in the allow column. This column may be fuzzed out, but all the boxes are checked anyway. Click Apply, which closes the window, and then select O.K. to close the last window.

Step 4

You are done, or you would be done if Vista didn't suck. During this process, you will probably have seen various messages telling you this or that file or folder was too protected, and you couldn't change it, but would have to skip or ignore it, while other files and folder changed their permissions with no problem. These files and folder that couldn't be changed by a global reset such as I have just described will have to be addressed individually. In the mean time, however, you can go into the folder you want to delete, select all (ctrl>a) and hit delete. This will at least eliminate the files and folders you don't have to treat individually.

And how do you treat them individually? You go through and do the same damn thing you just did to the top level folder and you repeat it for any sub folders and files that persist in being protected, even though you clicked "all subfolders" initially. Vista has trust issues, and they don't really believe you know what you are doing and so, like in any dysfunctional relationship, you have to repeat and repeat yourself and hope that something sticks.

The first time you see the window warning you that you are about to delete a system file, give yourself a pat on the back, because it means that you are on your way to delete most of the obnoxious files. When I did this, I still couldn't delete the entire back up, because the folder has two hidden files in it that only show up if I try to delete the supposedly empty folder. Oh well, I got 17 gig of harddrive back, so I will survive.

Use a screwdriver to remove the screws holding the computer cover in place. Slide off the computer cover and locate the hard drive, which usually looks like a black plastic rectangular box enclosed in a metal casing. Step 2
Remove the metal housing, which should require nothing more than removing some screws.

In order to solve the problem, it is often necessary to go through a series of possible solutions or fixes to the problem. The first and most basic step is to do a simple reboot of your computer. If this does not seem to solve the problem, continue to the next possible fix.

If the rundll error has occurred because of a faulty uninstall, the next thing to do is to completely redo the uninstall. How do you know if this is the problem? Actually, you don't, but you can consider it, if you recently attempted to uninstall a program. To uninstall the program again, you will first need to reinstall it. Now, carefully perform a new uninstall of the program. If this solves the problem, you are in the clear. If not, continue troubleshooting.

If you have an up to date anti-spyware application, run it now. Since spyware, adware, and malware are constantly evolving into newer and more insidious versions, it is extremely important to maintain a current version. If the rundll errors continue to occur, attempt to do a clean boot.

Follow the steps to fix the error:-

Step 1
Insert the Windows installation CD into the computer's drive and reboot the machine. When the Machine starts a message displayed " press any key to boot."

Step 2
Now click the "R" key to choose "Recovery Console." option and then select the Windows installation that is required to be fixed. This is only mandatory if there are more than one version of Windows installed on the machine. For most users, clicking "1" selects the version of Windows installed.

Step 3
Now enter the administrator's password into the command prompt. After the password is entered, you are given a Windows command prompt where the NTLDR and ntdetect.com files are restored.

Step 4
After that type the following statements into the command prompt:

xcopy x:\i386\ntdetect.com c:
xcopy x:\i386\ntldr c:

and then press "Enter" key.

Note:- Replace "x" with the drive letter of your CD drive and replace "C" with the drive location for the Windows installation.

Step 5
Remove the boot disk and reboot your machine. Windows boots and the error are corrected.

Vista has a new feature called 'receive window auto-tuning'. In short, this allows Vista to automatically scale the size of each packet of data it requests and receives over a network connection to suit the available bandwidth. Sometimes, older networking hardware may have issues with this new technique and refuse to co-operate, leading to dropped file transfers, slow performance and other weird problems.

To do this, open a command prompt window with administrative privileges To run a program with Administrative rights:

3)Now in the cmd type 'netsh interface tcp set global autotuninglevel=restricted' and press Enter.

If this fixes your issues, relax. If you continue to have networking problems, open another administrative prompt and type 'netsh interface tcp set global autotuninglevel=disabled'.

Verify and Configure your Windows Update Service Settings

Step 1
Click on the Start button at the bottom left-hand corner of your desktop. Once the Start menu opens, click Run and then type "services.msc" in the text field. Click OK when you are done.

Step 2
Navigate to the Automatic Updates service in the right-hand pane and then double-click on it. Select the Log On tab. Make sure that Local System Account is selected as the default logon account.

Step 3
Uncheck the option "Allow service to interact with desktop." Now go to the Hardware Profile section, also found under the Log On tab. Enable this service.

Step 4
Click on the General tab. Verify that the start-up type is set to Automatic. If not, use the drop-down menu to select this option.

Step 5

An unusual thing done by German and French agencies that they posted a notice about Internet Explorer on there website about the security issues and advise computer users to use any other browser.

This notice give boost to MS competitor. A Norwegian software company state that the number of Opera browser download made in Germany doubled to approx 18,000 a day.

Germany's Federal Office for Information Security and France’s CERTA agency advised people to use an alternative browser because of Internet Explorer security issues.

Computer Network Monitoring Tips

Things you will be needed to monitor computer network

Hardware hub

Administrative access to the monitor computers

Microsoft Network Monitor (Netmon.exe) software

All you have to do is first connect the computer you have targeted and the monitor to hardware hub, so that the user can see the traffic to the target computer. After that install MS network monitor named NETMON.EXE to the monitoring computer.

After complete installation of that software, start the application with the help of the icon created on the desktop.

Now select the network adapter from the start page that you have to monitor and select the NEW CAPTURE BUTTON that will open a new tab to the window.

Press the START button on the new capture tab for start capturing the traffic. The tracked traffic will be displayed on the left side of the screen. This will help you in viewing the sending and receiving details on what computer you have targeted.

As soon as you saw some process or any program that appears on the left side of the screen, it means either the program has sent or received data. To view what data was sent or received you have to click that program. All the details will be displayed when you click it i.e. what website was viewed, which IP address were accessed, what data was received or sent.

To view data transmission that happens between other computers all you have to click on the plus sign next to program or process.

For having the records of the traffic analysis click “save as” button. The data have been saved for future reference.
